Frequently Asked Questions About AchieveIt

  • Like most modern web applications, AchieveIt makes use of certain third party products both as part of our core service as well as to provide system monitoring and support. Some of these products are sourced directly into the web application from domains other than achieveit.com, and if you have restrictive company firewall or web filter settings you'll need to make sure that content from all the domains listed below is allowed through to your users' computers.

    Content from these domains and subdomains of them needs to be allowed for AchieveIt to function properly:

    achieveit.com (including my.achieveit.com and support.achieveit.com)

    googleapis.com

    gstatic.com

    And content from these domains and subdomains of them should be allowed to provide optimal customer support:

    akitaapp.com

    fullstory.com

    pendo.io

    If any of your users experience issues such as only seeing a blank page in their web browser when they try to access AchieveIt, it's possible that some of the resources on the domains referenced above are being blocked.   • Using Microsoft Azure Active Directory as the SSO Provider for AchieveIt

    This article will guide you through the requirements for allowing your users to login to AchieveIt through your organization’s Azure Active Directory (Azure AD) instance.

    TL;DR A Quick Summary

    Add a new application, enter AchieveIt as the name for the application, selectWeb app/APIas theApplication Type, and forenter https://my.achieveit.com as the Sign-on URL.

    Modify permissions so AchieveIt can read the directory.

    Create a new Key, save the Client Secret.

    Add the AchieveIt callback URL in the Reply URLs settings panel.

    Send AchieveIt your Azure AD domain, Client ID, and Client Secret.Client ID is the unique identifier for your registered Azure AD application.Client Secret was generated in step 3. We will configure the connection using the information you provide.

    Once we’ve completed the configuration, your team must test it to ensure you can login to AchieveIt with SSO credentials.

    How to Access the Azure Management Portal

    You can access the Azure management portal from your Microsoft service, or visit https://manage.windowsazure.com and sign in to Azure using the global administrator account used to create the Office 365 organization.

    If you have an Office 365 account, you can use the account's Azure AD instance instead of creating a new one. To find your Office 365 account's Azure AD instance:

    Sign in to Office 365.

    Navigate to the Office 365 Admin Center.

    Open theAdmin centersmenu drawer located in the left menu.

    Click onAzure AD.

    This will bring you to the admin center of the Azure AD instance backing your Office 365 account.

    Adding AchieveIt to Azure AD

    1. Create a new application

    Login to Microsoft Azure and chooseAzure Active Directoryfrom the sidebar.

    Then underMANAGE, selectApp registrations.

    Then click on the+ ADDbutton to add a new application.

    Enter AchieveIt as the name for the application, selectWeb app/APIas theApplication Type, and forenter https://my.achieveit.com as the Sign-on URL.

    Configure the permissions

    Once the application has been created, you will have to configure the permissions. Click on the name of the application to open theSettingssection.

    ClickRequired permissions.

    Then click onWindows Azure Active Directoryto change the access levels.

    The next step is to modify permissions so AchieveIt can read the directory. UnderDELEGATED PERMISSIONScheck next toSign in and read user profileandRead directory data.

    Click theSAVEbutton at the top to save these changes.

    Create the key

    Next you will need to create a key which will be used as theClient Secretin the AchieveIt SSO connection. Click onKeysfrom theSettingsmenu.

    Enter a name for the key and choose the desired duration.

    If you choose an expiring key, make sure to record the expiration date in your calendar, as you will need to renew the key (get a new one) before that day in order to ensure users don't experience a service interruption.

    Click onSaveand the key will be displayed.Make sure to copy the value of this key before leaving this screen, otherwise you may need to create a new key. This value is used as theClient Secretin the next step.

    Configure Reply URLs

    Next you need to ensure that your AchieveIt callback URL is listed in allowed reply URLs for the created application. Navigate toAzure Active Directory->Apps registrationsand select your app. Then clickSettings->Reply URLsand add:

    https://achieve-it.auth0.com/login/callback

    Without this step the App consent page will return a "Bad request" error. The fine print in the footer of this error page can be used to identify the exact tenant name and missing callback URL.

    Send AchieveIt Azure AD domain, Client ID, and Client Secret

    Send AchieveIt your Azure AD domain, Client ID, and Client Secret.Client ID is the unique identifier for your registered Azure AD application.Client Secret was generated in step 3. We will configure the connection using the information you provide.

    AchieveIt Configuration

    AchieveIt will configure the connection using the information you provide. After we contact you to let you know the configuration is complete, the final step is for your team to test the configuration and ensure you can login to AchieveIt with SSO credentials.

  • Creating a Plan

    In AchieveIt, you can create as many plans as your organization would like. Here’s how to create a plan to get you started.

    A.Navigate to the ‘Plans’ tab then select ‘+ Create New Plan.’ You will be directed to the Plan Details Page

    B. The required fields that you need to fill out have a red asterisk next to it. Fill in:

    Your plan name under the Plan Title field

    Add a start and end date associated to the plan (optional)

    Designate a Plan Administrator - these users can add content to this plan and are the only ones who can Edit Item Details

    Under the Plan State, choose whether the plan should be ‘Active’ or ‘Inactive’ (Until the plan is complete and ready to be shared with your members, we suggest to keep your plan ‘Inactive’ This way the reminder emails do not get sent out prematurely)

    C.On the right hand side you will notice a ‘Plan Levels’ section.This is the terminology that will be used for each level of your plan and will appear in the Item Library under the Tree view. The plan levels are customizable and there is no limit on how many you can create

    D. The second way to create a plan is to import your plan from Excel. You can do so by downloading our Excel template, then filling the rows out accordingly (optional)

    E. Once you’re done filling out the fields, select ‘Create Plan.’ You will then be able to see your Plan Card in the Tree view

  • You’ve created various teams to group people togetherby department, business unit,or function. But what happens when people come and go from teams?AchieveItallows you to quickly and easily add and remove users from pre-existing teams.Below you’ll see the steps to rename your team or add/remove any team members.

    1. Make sure you are a User Manager.

    2. Clickthe Settings gearwheel icon in the top right cornerandclick‘Teams’inthe dropdown.

    3. You’ll see a list of teams you can edit. Selectthe specificteam thatyou’d like to edit.

    4. To edit thename of the team, click on the pencil icon next to the team name. To delete the team altogether, click on the ‘DeleteTeam’buttonon theupper righthand corner of the page.

    5.To add new members, click ‘+ Add Members’.

    To remove anymembers, click the trash canto the right oftheir name.

    To select a new team lead, click on the Star iconin front of thenew team lead’s name.

    Pleasenote:you will not be able toremove an existing Team Lead. You will first need to select a new team lead by clicking on the star icon in front of their name.You can thenremovethe old team lead from your team.

  • Creating teams is a quick and easy way to group people together by department, business unit,or functional area. Once a team is created you can addthe teamas a memberor admin ofplans or plan items,add teams as viewers of custom dashboards,use the Team Dashboard to seewhichprojectsyourteamsareinvolved in, and search across plans by Teamusing the MultiPlan View.

    Does your Executive Team need to see a monthly report? Create an Executive Team and you’ll quickly be able to schedule a report to the entire team!

    Do you have a Strategy Team that needs to editand manage yourplans? Create aStrategy Team to quickly add everyoneasan admin to all plans.

    Please note: Team members will need to be Full Access users in order to edit plans.

    2.Select the Settings gearwheel icon in the top right corner & select ‘Teams’.

  • Creating a user account is a simple process and gives your employees the ability to view plans, be assigned to plan items, or receive scheduled reports.

    Please Note: If you’d like to assign tasks or plan items to anyone within your organization, you must first add them as users.

    Adding New Users

    1.Make sure you are a User Manager.

    2.Select the Settings gearwheel icon in the top right corner & select ‘Users’.

    3. On the Users page, you have the option to either add asingleuser, or upload a file containing multiple users.

    To Add a Single User

    1. Click the ‘+ Add User’button in the Options areaon the left-hand side of the page.

    2. After the ‘Add a User’ dialog opens, enterthe user’s email address and click the ‘Next’ button to continue.

    3.Next, fill out the new user’s:

    First and last name

    Initialpassword- this should be something easy to remember, as they’ll be asked to change their password the firsttimethey login toAchieveIt.

    Select the account type for the user: Full Access, Contributor ,

    Selectthe user’sTimeZoneto ensure their emails arrive at the expected time

    Click the +Add User button

    4.Once you click ‘+Add User’ you willsee a messageletting you know your user was successfully added.Closing the message will return you to the user list, where you’ll be able to find the new user’s information.

    To Add Multiple Users at Once

    1.Ifyou are uploading multiple users at once, clickthe‘UploadUsers fromFile’button. This will allow you to download anExcel templatethat you’ll need to fill out withthe new users’ information.

    2.In the template, you’ll need to fill out the new users’:

    First name

    Last name

    Email address

    License type (Full Access, Contributor, or External Contributor)

    Initial Password (this can be anything they'll change it the first time they login)

    Timezone(important for ensuring their emails arrive at the expected time)

    3.Once you have completed the Excel User Template,you canupload it using the drag and drop option, or by clicking on the whitespaceto openyour saved files on your computer.Click ‘Upload’ to complete the upload process.

    4.You will see a success message letting you know that your users have been successfully added. Their names will appear in the user list.

  • Gantt charts make iteasy to visualize a plan or project schedule, the start and due dates of plan items, and dependencies between items.

    1. To find the Gantt View,click on any plan andnavigate to top right-hand corner of the screen.

    2. Click on 'Gantt'.

    3. Once directed to the Gantt View,options for filters will appear at the top of the screen.

    These filter options are like those seen in List View and MultiPlan View.

    Additional filters specific to Gantt Viewinclude:

    Zoom in/zoom out toshowthetimeline for the wholeplan or to magnify a specific quarter

    'Plan Order'allows you to change the order of plan items from the default ‘Plan Order’, which uses the plan item hierarchy, to order by Start or Due Date

    'Labels' allow users to show or hide the item nameson the far left of the screen. Item names will continue to display on the bars that stretch across the timeline canvas.

    Draw Mode' allows users to click on the chart to add dates to items that don’t have start or due dates, or to modify existing start and due dates

    'Go to Today' will move the chartto today’s date

    ‘From’ and ‘To’ allows usersmove the timeline canvas to a specific date range.

  • TheValue of Progress Updates

    Progress updates are a core function of theAchieveItplatform, automating and streamlining your data collection efforts into a seamless cadence of communication. Providing a progress update withinAchieveItallows you to provide both qualitative and quantitative information about work on your plan item,storedin a single source of truth. Progress updates allow for metric data to be joined with commentary from those closest to the work in order to allow for real-time visibility intoeveryuser’s work and progress.

    How do I provide a Progress Update?

    There are two methods to provide a progress update:via the automatedAchieveItnotification emailordirectly within the plan item.

    Providing an Update Via Email

    1.From theAchieveItnotification email, select the 'Click to Update All' button.

    2.Update the status and metric (if applicable) for your item, then provide a comment for context. A meaningful comment always relays information about recent action taken on your work, as well as the next steps you intend to complete. If you are a member of multiple plans (and owe updates for multiple plans), you will be able to makeallyour updates on this page.

    Note: it is rarely necessary to edit the Apply This Date field as the system automatically populatesthe last date ofyour reporting period; however, in the event you do need to overwrite the date it is important to understand that youwill notbe able to select a date outside the requested reporting period.The reporting period is always listed directly to the left of the Apply This Date field:

    Providing an Update Within AchieveIt

    1.Select the plan item that you want to update.

    2.If there is an outstanding request, always satisfy a requested update first. You will see an outstanding update request in your plan item timeline. Simply click ‘Provide Update’:

    If no request is outstanding, you canalways provide an unsolicited update for additional context outside your normal update frequency. Simply click ‘Update Status’ in the top of your plan item card:

    3.Selectthe date thatapplies to the update.Update your status and metric, then add a comment to provide context for your update.

    4.Click 'Update Status' to submit your update.

  • When organization change or personnel change occur, and team structure changes, you may need to remove an existing team fromAchieveIt.

    How to Delete a Team

    1. Click on the Settingsgearwheelicon in the top right-hand corner on the navigation bar.

    2. In the Settings drop-down menu, select'Teams'.

    3. Select the team you wish to deleteon the left-hand side of the screen.

    4. In the top right-hand corner, click 'Delete Team'.

    5.A modal will appearthat allows you to replacethesoon-to-be-deletedteam with adifferentteam.

    You will also see a summarized list of all the Plan Items where the team is an admin or a member.

    You will seeall the Scheduled Reports that are being sent to the team you are deleting.

    Choosea replacement team if you’d like a different team to receive these reports or receive updates on these plan items.

    6.Confirm you want to delete the team by clicking ‘Delete'.After you click ‘Delete’ the window will close and the team will no longer appear in the Teams list on the left-hand side of the screen.

    Metric Update Data File

    Submit metric updates byPOSTingthe metric updates in a CSV (Comma SeparatedValues)file.

    These are the attributes to include intheCSV file for each metric update:

    A few additional items to note when building your CSV file:

    You can choose to include or exclude column headers. If you choose to include them, the first column must be labeled External ID.

    Columns must be in the same order as our template. From left to right, the columnsmustbe External ID, Current Metric Value, and AsOfDate.

    The CSV filecannot contain any empty rows.

    Submitting Updates

    Updates can be submitted by making an HTTP POST request to the following endpoint:

    https://api.achieveit.com/api/metricupdates/<filename of CSV>

    You must include the API key as part of an authorization header. The header needs to be in the following form:

    Authorization: API-KEY<API_KEY>

    Include your CSV in the body of the request.

    For example (usingcURL) - with a CSV title ‘my_updates.csv’ and an API key of ‘12004478285f4f4eb21cd25e62ba5eb7’, your request would look like the following:

Except for the cases of invalid requests (authorization header is missing or is malformed, unexpected server error, etc.), your HTTP request should immediately return with a 200 OK response as well as a Job ID which you can use to query the status of your batch update request.

    You can request the status of a batch update by making an HTTP GET request to the following endpoint:

    The system will respond with an HTTP status code indicating the state that your request is currently in:

    202 Accepted: Request is received or is currently being processed

  • Activating your plan is the same as "turning on your plan."Afteryour plan has been created,andthe Assigned-ToUsers,Update Frequencies, andMembers have beenadded,yourplan is ready beactivated!

    Once the plan has been set to "Active", any items that have an Assigned-To User and anUpdateFrequency will start sendingprogressupdate request emails to the Assigned-To users.

    How to Activate Your Plan

    1. Open the top plan item of your Plan. This will be the plan itemwith the sametitleasyour plan.

  • Occasionally, users will need to submit Progress Updates for time periods that have already passed. In this scenario, the user can backdate Progress Updatesin AchieveIt.

    How to Backdate Updates

    1.Navigate to the plan item that requires updates. In this example, we'll find the item in List View.

    2. Open the plan item. In the example below, ‘Increase New Business Revenue by 10\%’ is selected.

    3. In the Plan Item, click on the blue 'Update Status' link, found at the top of the timeline.

    4. When prompted to provide a status update, make sure to choose a backdated date that falls within the preferred reporting period. Next, select the appropriate status for this reporting period. If tracking a metric, the user can add an updated metric value to this update as well. It is also best practice to add a comment to an update in order to provide context to any progress made on the item.

    5.Click on the blue 'Update Status' button to submit the Status Update. The Timeline shows updates in chronological order, with the newest items at the top, which means that the update may not show at the top of the list.

  • Before you can create a Plan Item Table Widget you will need:

    ACustomDashboard

    A Saved Search

    Navigate to the Custom Dashboard in which you would like to create the Plan Item TableWidget by clicking on the Dashboard button in the navigation bar and then selectingaCustom Dashboard in the dropdown list.

    Click on the ‘Edit Layout’ button on the right side of the Custom Dashboard header.

    Click on the‘Add Widget’button (the + icon). This will open the Add Widget dialog.

    Once the Add Widget dialog has opened,selectthe‘Plan Item Table’option in the‘Frequently Used’section of the sidebar.

    You will be promptedin the right portion of the dialog tofill out several pieces of information before adding the Plan Item Table to thedashboard.

    Firstly, choose a Saved Search using the “Saved Search” select. Note that this field filters based on what you type, so typingthe firstfew characters of the name of your Saved Search can save you some time.

    Next, fill in the Widget Title with your preferred title. This field will default to the name of the Saved Search you have chosen.

    Lastly, choose the Font Weight, Font Color, and Background Color for the widget title header.

    Click onthe ‘Add to Dashboard’ buttonin the bottom right hand corner of the dialog when you are satisfied with the information you have provided.

    You will now see a Plan Item Table widget added to the bottom of your Custom Dashboard!

    Make sure to save the Custom Dashboard by clicking oneitherthe “Save” or “Save and Done” buttons.

    We have made Achieveit as intuitive as possible for our administrators to easily conceptualize, build, maintain and report on your strategic and operational plans. This Quick Start Guide will walk you through the highlights on how to get started in your organization.

    Step 1: Create a New Plan

    It's very easy to create a new plan in Achieveit to monitor your strategic and operational plans.

    A. To get started, click: Plans > Create a New Plan

    B. Once you have clicked on the 'Create New Plan' button, the 'Create Plan' screen will appear:

    C. Enter your plan information (Required Fields denoted are in Bold):

    Title plan title you would like displayed on reports and on screen

    Start Date - by either typing the date or by clicking the calendar icon to the right and using the date selector.

    End Date

    Plan Administrator(s) those users who will be able to add and build content to the plan

    Plan State

    Active:Plans will begin to immediately send out email alerts and notifications to the team members tied to the plan.

    Inactive:Plans will no longer send out email alerts and notifications.

    Archive: Plans will not send out email alerts and will be moved to the Archived section under Plans

    D. On the right hand side of the plan creation screen, you'll see a section named 'Plan Levels.' This is where you can customize your plan structure names and add as many levels as you like.

    NOTE: Milestone, Goal and Task are the default item names. You can customize the existing list or add more levels by clicking the 'Add Level' button. To get rid of levels you don't want, click the 'X' next to the level.

    E. Click the “Create Plan” button, and you will be navigated to the Tree View screen:

    F. Create your plan content. You have two ways that you can begin to build out your plan:

    Drag and drop a level into the plan

    OR Click the '+' icon at the bottom of your plan card.

    Step 2: Create Levels in the Item Library

    The Item Library visually encourages users to understand the organizational hierarchy of the plan. Every plan can be structured with as many or as few levels as needed and you also customize the terminology to fit your organization. When you are creating your plan in Section 1, you have an opportunity to structure your hierarchy. If you did not change the hierarchy during Section 1, then here are additional steps:

    A. On the left hand side of the Plan screen, is the 'Item Library.' Click the pencil icon to edit the existing levels or the '+' button. If you didn't adjust the levels when you created the plan, then you will see the default levels of Goal, Milestone, Task

    B. After you have clicked the '+' or pencil button, it will direct you to the 'Add Level' pop up window. Enter your custom level name and click Save.

    C. After saving your 'Level Name,' it will bring you back to the Tree View page and the new level will appear at the bottom under the 'Item Library' list.

    D. If you need to change the sequence, then you can then drag and drop the Plan Card to the order of your choosing

    Step 3. Create and Edit Plan Cards

    The above diagram describes all the icons and areas of a plan card. We will go over how to create a new plan card.

    A. Once you have created a new card either by clicking the '+' sign at the bottom of a Plan Card or dragging over a plan card. The 'Add Plan Item' pop up window will open.

    Under the 'Item Details' tab, you will need to enter (*Required Field denoted on Bold):

    Plan Item Name description of the plan item

    Parent Item this will automatically be populated with the item you are building under. If you need to change the mapping, then select from the drop down list.

    Level - you wish to map to within the plan

    - Status - of that Plan Item, such as Off Track, On Track, At Risk, etc. When you change the "Status" of the Plan Item, the color of the card banner in the preview pane will appear with the appropriate "Status" color.

    Description - of that Plan Item (not required)

    NOTE: As you name the item, choose thestatus, and level, the Card to the right will add that information simultaneously.

    B. Click the 'More Options' tab to enter optional information:

    Assigned To - Name of person you wish to assign to this task

    Members - The members you want to include with the Plan Item

    Administrators users that can edit/create content for this card and all cards below

    'Start' and 'Due' date for the item

    When you select an "Assigned To" user then the 'Update Frequency' can be changed to: Never, Weekly, Monthly or Quarterly

    Step 4. Create a Metric

    Any plan card also has the ability to become a metric. To add metric elements to your plan card, such as a percentage, price, or a number, just follow these few steps:

    A. Click the Metric tab andcheck the box

    B. Once you have checked the box, more options will appear:

    Switch the 'Metric Unit' to a number, a price or a percentage

    Change the 'Rollup' to:

    - To be updated directly

    - To be the sum of its children's values

    - To be the average of its children's values

    "To be updated directly" means the Assigned To or Member users will enter the Current Value manually each time a progress update is given.

    "To be the sum of its children's values" means that any Current Values from metric cards built below the current card will be tallied together to provide the new Current Value.

    "To be the sum of its children's values" means that any Current Values from metric cards built below the current card will be averaged together to provide the new Current Value.

    Manually change the 'Current Value' status by adding any number(s)

    Edit the 'Metric Tracking' from

    - It will go from...

    - It will be maintained between...

    - It will be above...

    - It will be below...

    PRO TIP: If you want to add another item in the same level to a 'Plan Card,' check the 'Add Another' box at the bottom. When you're finished, click 'Save.'

    Prep Work: Creating Teams

    Often, you have functional teams that are tied to elements of your strategic or operational plans. Before you start building your plans and assignments, let’s take a moment and review the steps to create teams in the software.

    Teams serve a variety of functions:

    Teams serve an as easy way to gain visibility into the current performance of a group

    Teams allow for easy sorting within the list-view filters (link to the Link View Aspect)

    Teams create alignment around organizational goals

    A. Click the Settings gearwheel and select 'Teams'.

    B. On the 'Teams' page, click 'Add Teams'.

    C. Fill out the card with the team's information. Enter the team name, the supervising team (if relevant), identify all members of the team, and select a team leader.

    NOTE: If you ever need to edit your teams, then you can click the pencil icon to access the members list. To switch the team leader, click the star next to the team member you would like to become the leader.

    Teams can be assigned as Members to a Plan Card Item.

    How to Access the New List View

    View any plan in List View. To the left of the plan view navigation icons, you will see a “New/Classic” toggle. When you click on New, you are taken to the new List View.

    To return to the Classic View, you’ll see the same toggle options displayed at the top of the new view.

    Meet the New List View

    Performance

    The foundation of the new list view is built on performance improvements resulting in significantly faster load times. Just think; more time back in your day, less time waiting for plans to load! In the new List View, plans with 2,000 plan items will load in less than 2 seconds.

    This performance enhancement also decreases PDF download times. A small message will appear in the bottom right of your screen with the progress of your download. We’ve removed the pop up that blocks your entire screen allowing you to continue your workflow without interruption.

    User messaging during download process:

    New Look and Feel

    The new List View is optimized for both readability and maximizing the amount of information presented in 3 specific scenarios: on-screen, projecting onto a larger screen (such as to a TV during a meeting), and in printed report format.

    Action Bar

    When we refer to the Action Bar, we’re referring to the gray bar that sits above the column headers. Only users who are either an admin on at least one item in the plan, or who have the ability to download reports, will see this bar.

    Bulk Actions

    Users who are admins on at least one item in the plan will now see the Bulk Edit and Bulk Request Updates icons on the left side of the bar.

    Download

    Users who have the ability to download reports (full access users, or those users that have a customer contributor type with the Reports permission added on) will also see the Download icon on the right.

    Scrolling Headers

    Below the action bar, we’ve implemented scrolling column headers, so you always know which column you’re viewing.

    Hover Actions

    In Classic List View, actions that a user could take on an item were displayed in the far right column of each item.

    In New List View, actions are available on hover. This allows for more space to improve readability and increase font size.

    The actions that are available have also changed.

    In Classic List View, the actions were:

    Link/Unlink Item

    Delete Item

    In New List View, the actions are:

    Request Progress Update

    This action allows members, assigned-to users, and admins to request a progress update for a single item.

    Apply Filters

    New List View features an “Apply Filters” button that allow you to build your whole query before your search begins. This improves performance and allows you to make tweaks to your selections before the list changes. Filters won’t affect the displayed list of items until they are applied.

    PDF Enhancements

    The look and feel improvements also affect PDF reports. Here are a few improvements we made to PDFs:

    Easier to read no more gray rows, larger font size

    Better use of space - we’ve moved the name of the plan and the applied filters to the header

    Easier to read file names file names are now the name of the plan followed by a time stamp of when it was downloaded

    New time stamp - the file features a time stamp in the footer of the PDF, so you’ll always know when the report was generated

    Clearer messaging - if there’s an error while you’re downloading the report (for example, if your internet connection briefly blips out), a small pop up will allow you to “retry” the download

    Changes to Bulk Actions

    Checkboxes

    In Classic List View, users would click on the “Bulk Edit” or “Request Progress Update” buttons in order to display checkboxes next to the items upon which they are admins. They could then select these items and enter the workflow for the action they chose.

    In the new List View, the checkboxes are always visible. You first select the items upon which you’d like to take an action, then select whether you’d like to enter the Bulk Edit or Bulk Request Progress Updates flow, using the icons in the Action Bar.

    Linked Items

    The most notable change we’ve made is that linked items are no longer bulk editable. We’ve found a significant number of customers making accidental changes to linked items using Bulk Edit, not realizing those changes would affect the item in the source plan. In order to bulk edit these items, you’ll need to bulk edit them from the source plan.

    Rollout Timeline

    March 8: The new List View is available for all users.

    Early June: The new List View is the default for all users. Scheduled reports switch to the new view.

    Mid-July: Classic List View is retired and no longer available for users.

    We will update this page if any of these planned dates change.

    What’s Next in List View

    Scheduled Reports

    Scheduled reports will reflect the new List View in early April. Currently, when you toggle to List View, the old List View is displayed, and you must click on the “New” toggle in order to switch over. This order will reverse in early April, with the new List View becoming the default view. We will switch scheduled reports to use the new view at the same time that new List View becomes the default.

    Classic List View Features

    There are a few less commonly-used features that are currently available in Classic List View that are not (yet) available in new List View. We will be adding these over the next several months.

  • AchieveIt allows users to check out files, which prevents others from updating that file until it is checked back in. Stay on the same page (literally!) with version control capability.

    Open the Plan Item to which you'd like to add a file. Under Files, click 'Add File' and upload your document.

    You can download any document attached to the item. If you are going to make any changes to the file, you can click on the ‘lock’ icon to lock the document until you have made your edits.

    Once you've made your changes, click on the 'Upload' icon to upload the modified document. It will add the new version without having duplicates of the same file.

    If you want to see the history of the document, click on the 'List' icon to view when it was created and who uploaded it.

    To delete any document, click the 'Trash Can' icon.

  • List View provides the same info as Tree View in a tabular format so that you can quickly and easily filter, sort, review, and manage your data.

    This view allows you to both easily skim and review your plan and the performance of your initiatives, as well as to manage the structure of the plan itself (assuming you're an admin of the plan).

    Filtering in List View

    List View filters allow you to narrow down the information in your plan, so you can manage by exception and quickly identify items that are off track or at risk. You can quickly run through the assignments of a specific user, or view items that are tagged with a specific project group or department.You can review the Last Comments and have critical pieces of information in order to make business decisions on next steps.

    Bulk Actions

    Admins on the plan (or plan items admins) can request progress updates and bulk edit the itemson which they are admins. Bulk Edit button allows you to make mass edits to items at the same time, while the bulk request progress updates allows you to generate multiple manual progress update requests at the same time.

    Reports

    No matter if it’s a filtered or unfiltered view, you can run a custom report of exactly what you see in either PDF, Excel, or Word/Rich Text Format by clicking the 'Download' button in the gray Action Bar.

    You can also schedule List View reports to be delivered on a regular cadence from the Reports page.

  • You can show and hide columns in My Dashboard, Team Dashboard, and List View, so that you can tailor the information shown to be precisely what you need. In List View, these column preferences will be used to determine which columns are shown in both manually downloaded and scheduled reports.

    1.In your dashboard, you will see the ‘Show/Hide Columns’ button in the upper left hand corner. After selecting it, you will see all the options you can choose from. Checking the boxes adds those columns to your dashboard; unchecking will remove them.

  • You can filter your plan for the information that is most important to you. You can quickly narrow down items that are Off Track or At Risk, or zoom into a specific user's assigned items.

    Filtering in List View

    1. View your plan in List View.

    2.Clicking on the Filters bar at the top of the screen will display filter options.

    You will see 8 different field boxes and three Additional Options checkboxes along the bottom.

    Some commonly used combinations:

    Use the Status filter to search for items that are Off Track and At Risk to quickly view items that require additional attention so they can allocate their time and resources to focus on these items, change course, and achieve their goals.

    View items that are past their due date.

    Filter by the Assigned To user to view any particular user's (or set of users') assigned items.

    In the Additional Options section, you have three more filter criteria:

    Show parking lot items

    Show all supporting items of filter results

    Show only items with late updates

    3. Click the 'Apply Filters' button to apply your selections to the view.

    4.Once you are done customizing your filters, you can view the results on-screen or download the report in a variety of formats.

  • What is linking?

    Linking allows you to display a single plan item in multiple plans. When you update the plan item, it will automatically update in all locations.

    Think of linking as a window into another plan. For example, if you have a departmental plan, and an overall corporate strategy plan, you might want a metric card from the departmental plan to show up in the overall corporate strategy plan. Rather than entering the same information twice, you can link the departmental plan item to the correct item in the overall corporate strategy plan, where it will be visible to members of the strategy plan.

    How do I link an item?

    To link an item, navigate to the item in the Tree or List View. You will notice the item displays the ‘link’ icon. This item will be the “parent” of the link.

    Clicking the link icon will allow you to select first the Plan, then the Plan Item, you’d like to link.

    In this example, we have an item, Increase Leads 10\%, that will support the revenue goal, so we’d like to link it under the Revenue goal, so we can track its progress both in our Corporate Plan and the Sales Plan.

    After clicking Save, you’ll see the linked item appear in the view, with the ‘link’ icon.

    To remove the link, click the ‘break link’ icon in the List View.

    How are linked item metrics treated in rollups?

    Linked item metrics are included in metric rollup value calculations. Even if the user does not have access to the linked item (the child item), the user can create a metric rollup in the parent item (to which the child item is linked).

    How are linked items treated in reports?

    Linked items are included in reports.

    In List View PDF reports, linked items are denoted with the link icon. In List View RTF and Excel reports, linked items are included, but without an icon.

    Please note that if the item is linked in multiple places, it can show up multiple times in certain reports, such as in a Multi-Plan View report.

    How does linking items from another plan affect visibility to items in each plan?

    A user's ability to see a plan is determined by whether he is assigned to an item in the plan as an owner, member, or admin. Linking items between plans doesn't circumvent this restriction in any way.

    The assigned-to user on a plan item can see only the plan to which that item natively belongs (the source plan). The assigned-to user will be able to see the names of the other plans the items has been linked into, but he will not automatically be given access to view the full details of any of those plans.

    Similarly, a user who can see the plan that an item has been linked into will not automatically be able to see the plan that item comes from. She will be able to see key data about the linked plan item such as current metric value and last comment, but she will not be able to view the full details of the linked item or navigate into the plan the item came from unless she has been assigned toboth plans.

  • If you a plan admin, and you'd like to duplicate a plan, follow these steps.

    1. Create a new plan. For more information on how to do this, check out our Add a Plan help article.

    2. Open the plan you'd like to duplicate and toggle to List View.

    3. Select the plan items (or select the entire plan using the Select All checkbox in the column header) you'd like to copy. Then, click the Bulk Edit icon.

    4. In the Bulk Edit workflow, scroll down until you see the Copy option. You'll need to select which Plan you'd like to copy the items to (the new plan you created in step 1). Then select the item you'd like to copy them under (this will most likely be the top plan card.) Check the Deep Copy checkbox if you'd like all item information and history to be copied over with your items. Click 'Continue'.

    5. Confirm your changes.

    6. Once your items have been copied, you'll see the following Finished screen. You can click the "Back to Plan" button to return to the original plan.

  • In AchieveIt, you can create as many plans as your organization would like. Here’s how to create a new plan

    How to Create a New Plan

    1.Navigate to the ‘Plans’ tab then select ‘+ Create New Plan.’ You will be directed to the Plan Details Page

    2. The required fields that you need to fill out have a red asterisk next to it. Fill in:

    Your plan name under the Plan Title field

    Add a start and end date associated to the plan

    Designate a Plan Administrator - this person is in charge of creating the cards associated to this plan and are the only ones who can Edit Item Details

    Under the Plan State, choose whether the plan should be ‘Active’ or ‘Inactive’ (Until the plan is complete and ready to be shared with your members, we suggest to keep your plan ‘Inactive’ This way the reminder emails do not get sent out prematurely)

    3.On the right hand side you will notice a ‘Plan Levels’ section.This is the terminology that will be used for each level of your plan and will appear in the Item Library under the Tree view. The plan levels are customizable and there is no limit on how many you can create

    4. You have an option to import your plan from Excel. You can do so by downloading our Excel template, then filling the rows out accordingly (optional)

    5. Once you’re done filling out the fields, select ‘Create Plan.’ You will then be able to see your Plan Card in the Tree view

  • There are three different ways to add an item to your plan.

    From Tree View

    A.Click the '+' in the bottom right hand corner of an existing plan item. This will create a supporting item underneath the existing item.

    B. Alternatively, click and drag a Level from the Item Library and drag it onto an existing item (such as the top plan card). This will create a supporting item underneath the existing item.

    From List View

    A.Hover over an existing item in the plan. Click the 'Add Supporting Item icon' to add an item underneath the existing item.

    If you do not see the Add button in Tree View, or the Add Supporting Items icon in List View, it is because you do not have the correct permissions to add a supporting item. Contact your AchieveIt administrator if this is the case.

    Creating a User Manager

    1. Select the Settings gearwheel icon. In the Admin drop-down menu, select 'Users'.

    2.Next to each person’s name is a check box for ‘User Manager’. Click this box to select the user and make them a user manager.

    What aUser Manager Can Do

    1. Any or all users can be a User Manager. Once the userhas been given permission, he or shecan add new users, delete users or edit user information (such as resetting other user's passwords, edit their email addresses, or switch their license types).

    2. Under the ‘Team’ tab, User Managers can create teams within their organization.

    3. Under the ‘Progress Update Settings’ tab, User Managers can set the Update Email Frequency schedule for their organizationto Weekly, Monthly or Quarterly.

    4. They can also add their organization's logo to theorganization's profile. They can also turn on or off the option todisplay hierarchy numbering ontheir organization's plans.

  • In order to see a plan in your Plans drop down list, you must have access and permission to view or edit that plan.You will automatically be able to see the plan if you have an assignment in the plan, either as the Assigned To user or as a Member of a plan card item, if you are an administrator of the plan, or if you are part of a team that's a member of the plan.

    Otherwise, you will need to be granted access to the plan. Contact a Plan Administrator and ask them to provide you with access. To do this, they will need to:

    1. Navigate to Plans > SelectPlan.

    2. Open aPlan Card and navigate to the Members and Admins area.

    3. If you need to edit/create new content in the plan, ask your plan administrator to add you as an Admin. Otherwise, ask to be addedas a Member; youwill have view-only access.

    The Get Plan Items API returns the current data for each plan item in a specified plan. For more information on the general aspects of the AchieveIt REST API, read our help article on API basics.

    Results Limit and Results Paging

    The Get Plan Items API returns by default 100 plan items per query. If you have a plan that contains more than 100 plan items, you can specify a larger result set using the take parameter.

  • The AchieveIt platform provides a public REST API that allows you to automate the process of publishing data to your plans and plan items as well as exporting plan data from the system.

    Prerequisites

    You will need to meet the following prerequisites in order to access the REST API. These are managed by AchieveIt and can only be enabled by request.

    Have API access enabled on your AchieveIt organization account.

    Have an API key and an "API Account": The API Account is an AchieveIt user to which changes made via the API are associated.

    Designate a point of contact within your organization that will be associated with the API connection. This point of contact is who AchieveIt will proactively communicate with should we encounter any API failure.

    In addition, if you are submitting data through the API you will need to take the following additional step:

    Set up data mappings: Each metric or item status you want to publish to AchieveIt must have a unique "external ID" defined in your existing system. Your AchieveIt Customer Success Manager will map each external ID to a plan item in one of your AchieveIt plans to ensure the correct plan items are updated in each batch update.

    Submitting Data

    Submit data through the API by making an HTTP POST request containing a data file to the endpoint relevant to the type of data you're publishing. For example, if you are submitting progress update data, you would call the "progressupdates" endpoint:

    You must include the API key as part of an authorization header. The header needs to be in the following form:

    Checking on Status of Data Processing

    The API does not process update requests immediately or synchronously. It pushes each request to a queue and the system subsequently processes the updates. Except for the cases of invalid requests (authorization header is missing or is malformed, unexpected server error, etc.), your HTTP request should immediately return with a 200 OK response as well as a Job ID which you can use to query the status of your batch update request.

    You can check the status of an update by making an HTTP GET request to the "status" endpoint corresponding with the type of data, such as in the following example for submitting progress updates:

    Data File

    For most endpoints, you submit data in a file that you post through the HTTP request. The data file will typically be a structured format such as a Comma Separated Values (CSV) file that allows you to submit multiple records in one request.

    For most endpoints, the following rules apply to CSV data files:

    You can choose to include or exclude column headers. If you choose to include them, the first column must be labeled External ID.

    Columns must be in the same order as shown in the template for each data file type.

    The CSV file must not contain any empty rows.

    In addition to publishing progress update and metric data into your plans, you can also export plan data through the REST API.   • Simple Steps for Executing Your Business Plans

    You have been selected to provide progress updates for strategic and operational plans to help achieve your organization’s goals and objectives. In just a few clicks of the mouse, you will be able to provide your progress updates quickly and easily.

    Prep Work: This part has already been completed for you!

    Based on the goals of your organization, your assignments have already been created. When appropriate, start dates, due dates and how often you should provide progress updates were identified for your assignments.

    New Assignment Email Notifications

    When your project plan has been activated, you will receive an email from [email protected] informing you of all your assignments related to your plan. If you have assignments in more than one plan, you will see one consolidated email listing all assignments.

    There is no action required from you regarding this email. This email is truly to inform you of your upcoming assignments.

    Progress Update Email Notifications

    On a regular basis, you will receive reminders about your assignments asking you to provide a progress update about certain time periods. Select 'Click to Update All' to provide your updates.

    Providing Progress Updates

    Within the link, you will be able to provide a progress update date, status, and comment about your assignment. If your assignment is a measurable item, you will also see a field available for the Metric.

    Once you mark an assignment Achieved, Not Achieved or Canceled the software will no longer send you an alert about this assignment for the rest of the plan cycle.

    Optional: Logging In and Providing Updates

    Although the majority of your interactions will occur through the automated emails, you always have the option to log into the system and provide progress updates as well.

    Navigate to http://my.achieveit.com

    Enter your email address and password. Confirm your temporary password with your plan administrator.

    If your password does not work, you can reset it yourself by clicking the “Reset Password” link just beneath the login button. Or you can call our 24-help desk at (866) 438-8993.

    Personal Dashboard

    All of your assignments will be visible on your Personal Dashboard when you first log in. Each column is sortable by clicking on the header.

    You can update any of your assignments by clicking on the “Name” or “Status.” Then you will be able to click the “Update Progress” button.

    Viewing Your Plan

    In addition to your personal dashboard, you also have access to see the entire plan. To view the plan, navigate to the Plans menu, and click the plan you would like to view.

    It will open the screen to the Tree View which shows you a visual of how all the plan assignments are connected together. To navigate the tree, click the bottom left triangle to expand and collapse parts of the plan.

    For another view, in the upper right hand corner, you can toggle between the Tree View and the List View. The List View can give you more context around the Due Dates, Assigned To and Last Comments that have been provided.

    The new dashboards are brighter, cleaner, and chock full of new functionality that makes them faster to build and edit.

    New Action Bar

    The new action bar at the top of the dashboard allows you to see the name of the dashboard, as well as the name of the dashboard owner. On the right-hand side of the action bar, you’re able to generate a PDF of the dashboard, enter Edit Layout mode if you’re a dashboard editor, and see additional options (depending on your permissions: setting the dashboard as your home page, changing dashboard settings, cloning the dashboard, and deleting the dashboard.)

    It also features a visual indicator when the dashboard you’re viewing is set as your homepage.

    New Views

    View Mode

    The default view of a dashboard is View Mode. From View Mode, you can see dashboard content, the date ranges that have been applied to bar and line charts, and the date snapshot set for gauge charts.

    You can generate a PDF of the dashboard, set the dashboard as your homepage, and clone a dashboard using the ellipsis icon in the dashboard action bar. If you are a dashboard editor or owner, you can also delete dashboards and access the Settings screen, which allows you to edit the name of your dashboard and add members and editors.

    Clicking the ellipsis icon on widgets will allow you to export charts in high-resolution and to access the embed code.

    To make changes to a dashboard, you’ll need to enter Edit Mode.

    Edit Mode

    Clicking the blue Edit Layout button on the dashboard will switch your dashboard into Edit Mode, which is where you’ll make all changes to your dashboard. (Note: you’ll only be able to enter this mode if you have edit permissions for the dashboard.)

    Entering Edit Mode allows you to:

    Add new widgets

    Rearrange and resize widgets directly on the canvas

    Edit widget content

    Clone widgets

    Delete widgets

    Apply date ranges to bar and line charts

    Change the date format for bar and line charts

    Set a date snapshot for the gauge chart

    Portrait Mode

    Users now have the ability to switch dashboards from landscape to portrait orientation. Portrait orientation dashboards allow a maximum width of 3 widgets. This view is optimal for smaller screen sizes and for portrait reports.

    Scheduled reports of these custom dashboards will also arrive in portrait orientation.

    To Build a Portrait Mode Dashboard

    You have two options to build a portrait mode dashboard: start from scratch or clone an existing dashboard. We recommend cloning one of your frequently used dashboards and adjusting from there.

    On an existing dashboard, click the ellipsis icon in the action bar and select Clone.

    You will be taken to your newly cloned dashboard. Click the Edit Layout button.

    The action bar will toggle to show the Add Widget and Change Orientation icons, as well as Cancel, Save, and Save & Done buttons. Click the Change Orientation icon.

    Select Portrait orientation and click Set.

    You’ll be taken back to your dashboard in the new orientation. You can resize and move your widgets on the canvas. Once you like the new layout, you can Save the orientation.

    New Charts with Chart Export

    Our new charting technology allows for charts to be exported in high resolution and for legends to move dynamically, so that the chart makes the best use of space within the widget container. Triple pie widgets can now be vertical, and also feature header labels over the pies.

    Lastly, bar, line, and gauge charts have date range selectors. Bar and line charts also allow you to select the date format.

    How to Export a Chart

    In View Mode, clicking on the ellipsis icon of the widget container will allow you to export the chart in a variety of formats.

    Header Label for Triple Pie & Triple Doughnut Charts

    The header titles within the new pie charts will allow customers to clearly see which charts align to status lights, past due plan items, and late updates.

    Triple pie/doughnut widgets can also now be vertical.

    Select Date Ranges for Bar/Line Charts

    Bar and line charts now display a date range selector, which is available only in Edit Mode. The selected date range is persisted to both manually generated and scheduled reports.

    The date selector has a variety of pre-built options (such as this year/quarter/month, last year/quarter/month, YTD, QTD, MTD, trailing months/days, and more.) You also have the option of selecting a custom date range.

    Now that you can clone widgets, it’s also easy to clone bar/line charts and select different date ranges for comparisons. For example, you can clone a bar/line chart that displays an annual revenue goal with the whole year displayed, and in the cloned version, select just the current quarter’s date range for a more detailed look.

    Select Date Format for Bar/Line Charts

    There are now several ways to format the dates represented in line and bar charts.

    You can select a long date format (i.e. 01/01/2018) or a shortened date format (Jan 3, 18).

    You can also choose the frequency with which to display dates at the bottom of your line and bar graphs. Depending on how frequently you make updates to your metrics and the date ranges you’ve selected to display in your chart, you can select the date display that best allows you to read the chart. You can choose to:

    Automatically select dates that will best fit within the graph

    Display the first day of every week (Sunday)

    Display the first day of every month

    Display 1stand 15thof every month (semi-monthly)

    Display the first day of every quarter

    Only display dates with data

    Date Snapshot for Gauge

    Gauge charts also display a date range selector, which is also only available in Edit Mode. Because the gauge chart only displays information as a of a specific date, it’s helpful to think of this date selection as showing a date “snapshot” for the gauge.

    Selecting a date will show the Current Value and advanced metric goals as of the most recent update for the selected date range. For example, if you select “Last Quarter”, the Current Value will be the most up-to-date value submitted in the last quarter. Assuming that today is June 1st, for example, it would show the most recent update value for Q1 (regardless of if the most recent update was submitted at the beginning, end, or middle of Q1) and the goals associated with that timeframe.

    The selected date snapshot is persisted to both manually generated and scheduled reports.

    The date selector has a variety of pre-built options (such as last year/quarter/month/update, and today, the default setting.) You also have the option of selecting a custom date range.

    New Widget Types

    Free Text Widget

    Copy and paste from Word or Excel, or build tables and content directly within this new widget type. You can insert descriptions of dashboards, add context to specific sections or widgets, or enhance the dashboard with information from other reports or systems.

    Section Breaks and Section Titles

    Using our new section titles and section breaks, you can now organize all the widgets within your dashboard for easier navigation. There are a variety of formats available for both options, so you can customize the look and feel to match your organization’s existing reports.

    Portrait Mode

    Users now have the ability to switch dashboards from landscape to portrait orientation. Portrait orientation dashboards allow a maximum width of 3 widgets. This view is optimal for smaller screen sizes and for portrait reports.

    As part of the beta, you can manually generate portrait PDFs from your PDF dashboards. Once Portrait Mode is enabled for your entire organization, scheduled reports of these custom dashboards will also arrive in portrait orientation.

    Note: during the beta period, you will want to restrict access to portrait orientation dashboards to only other beta users in your organization. The dashboards will not display correctly for users that do not have the beta features enabled.

    To Build a Portrait Mode Dashboard

    You have two options to build a portrait mode dashboard: start from scratch or clone an existing dashboard. We recommend cloning one of your frequently used dashboards and adjusting from there.

    On an existing dashboard, click the ellipsis icon in the action bar and select Clone.

    You will be taken to your newly cloned dashboard. Click the Edit Layout button.

    The action bar will toggle to show the Add Widget and Change Orientation icons, as well as Cancel, Save, and Save & Done buttons. Click the Change Orientation icon.

    Select Portrait orientation and click Set.

    You’ll be taken back to your dashboard in the new orientation. You can resize and move your widgets on the canvas. Once you like the new layout, you can Save the orientation.

    Header Label for Triple Pies

    The header titles within the new pie charts will allow customers to clearly see which charts align to status lights, past due plan items, and late updates.

    The Add/Edit Widget modal has been updated to match the new look and feel of the dashboards, as well as to support the addition of section breaks and section titles. It also features clearer messaging around which chart types are available for each widget.

  • As part of AchieveIt’s Notification Settings, you can decide whether or not you’d like your assigned-to users to receive notifications related to the due dates of their items.

    There are three types of due date notifications: approaching due date, due today, and past due. If you turn on more than one type of due date notification, your user will receive a single email containing all of their due date notifications.

    If the user does not have any items due, past due, or approaching their due date, they will not receive an email.

    Approaching Due Date

    This setting allows you to select how many days before the due date you’d like assigned-to users to be notified. The maximum number of days is 180. In the example above, the user would receive notifications 5, 15, and 30 days before their items are due.

    Due Today

    Turn this setting on to ensure your assigned-to users receive a notification on the item’s due date.

    Past Due

    Select this notification for users to receive notifications when an item has passed its due date without being marked in a terminal status (Achieved, Not Achieved, or Cancelled). In the example above, the user would receive those notifications every Friday. To increase urgency of past due items, we recommend selecting more than one day per week, to keep it top of mind for your assigned-to users.

    Setting Up Due Date Notifications

    These settings automatically save when you turn them on. However, approaching due date notifications will not be sent until you enter a number to represent the number of days before the due date. The maximum is 180, and you can enter multiple values, separated by commas.

    Similarly, for past due notifications, emails will not be sent until you select at least one day per week.

    Overriding These Settings at the Plan and Plan Item Levels

    By default, all plans and plan items will inherit these settings. If you would like to override these settings, you have the option to do so on a plan or plan item level.

    This means you can customize notification settings for each plan, and for individual plan items.

    To Override Settings at the Plan Level

    Open the top plan card.

    Select the Options tab.

    Uncheck the ‘Use Organization Settings’ checkbox.

    Select the desired notification settings for this plan.

    To Override Settings at the Plan Item Level

    Open the top plan card.

    Select the Options tab.

    Uncheck the ‘Use Plan Default Settings’ checkbox.

    Select the desired notification settings for this plan item.
