  • If there is a "Claimed Profile" message on your organization's profile, this means someone else is currently managing the profile. Please inquire internally if someone within your organization is already managing the account. If you’re not sure who is managing the profile and would like to have access, please contact our support team.

  • All Electronic Donation Payment and PayPal applications are reviewed by our Finance Team. You’ll receive an email that either confirms your approval or asks for more information. The review may take up to 7 business days.

    Please note, if your organization is located in Canada or The United States, the status of your application will not affect your eligibility to receive funds. Electronic Funds Transfer is the preferred method of disbursement; however, the default method for those in North America is by check.

  • You can track your organization’s donation activity using the bar graph on the ‘Dashboard’ of your profile called 'My Donation Activity'. Here are the definitions of each status:

    'Current' (Blue): Represents accumulated funds (ex. Dec 1- Jan 15)

    'In Progress'(Yellow): Status change on or around the 15th of the month, displaying the gross amount of your upcoming disbursement.

    ‘Sent’ (Orange):Represents funds that have already been disbursed to your organization.

    Example:

    On January 15, the dashboard will display any applicable funds donated in December in the'In Progress'

    In this example, January funds accrued between Jan 1 - 15 will remain in 'Current'status and will disbursed the following month.

    Please note, in the'My Donation Activity'bar graph displays gross and not net amounts, as fees may be applied before disbursement. For more information on fees, refer to What are the fees that have been deducted from a donation?

  • There are three types of fees that can be applied to each disbursement:Donation/Match Fee, Merchant Fee, and Manual Check Fee:

    Cause Support Fee: This is a variable percentage charge based on the cost of vetting the program eligibility of the cause, collecting and processing donations, disbursing funds and preparing donor receipts and cause reporting.

    Merchant FeesThis fee applies to the costs associated with processing credit card, PayPal or similar transactions. The fee can vary based on the payment card type or process used to complete the transactions and is typically less than 2.5\%.

    Manual Check SurchargeThis fee applies to disbursements paid by check in North America. After an organization receives three manual checks, there is a mandatory 7\% fee per disbursement, with a minimum fee being $25.00 and a maximum of $100.00. We encourage all North American non-profit organizations to receive their disbursements electronically so they can access funds faster and avoid these check fees. This fee does not apply to countries outside North America, where all disbursements are made electronically.

    Disbursment Terms

    Period End Date:The disbursements that you receive from Benevity are an aggregation of all the donations made to your organization via our platform over the course of a month and are paid in the ensuing month. The Period End Date indicates the closing date for each disbursement.

    Example:

    Period end date of December 31, 2019

    Contains all gifts for the month of December 2019

    Funds for that period will be issued the following month, at the end of January 2020

    Disbursing Entity:The funds your organization receives via the Benevity platform are disbursed by a global network of local partner non-profit organizations, such as the American Online Giving Foundation, who aggregate and disburse funds to recipient organizations in the relevant country and issue receipts to donors. This column will also indicate the currency used for those funds, as well as the currency used in the reports.

    Payment Method:For efficiency, accuracy and timeliness of payment, Benevity seeks to disburse all funds electronically, and we are proud that close to 90\% of funds are paid this way.You may select the following methods to receive your payments through Benevity:

    Electronic Funds Transfer (EFT)

    PayPal (in North America)

    Check (in North America)

    Disbursement ID:This ID number is unique to each disbursement you receive from Benevity.

    Accessing & Viewing Your Reports

    Viewing your Reports

    Once you’ve identified the disbursement report you want to view, select the drop-down menu labelled “Reports” on the right side of the screen.

    Download Detailed Report

    To view all the available information about a disbursement, download the Detailed Report .CSV. This report lists:

    Company:The corporate client from where the gift originated

    Project:If a donor gave to a specific project you’ve made available through your Cause Profile, it will be indicated here.

    Donation Date:The date the original donation was made.

    Donor Information:Companies and donors expect Benevity to manage their confidential information stringently. Donors are able to choose the level of personal detail that they make available along with their donations. They may choose to include their first and last name, email and mailing address. Or they may donate anonymously and only provide their ZIP/Postal Code, in which case “Not shared by donor” will appear in the column.

    Comment:Donors can choose to provide comments along with their donations, which will be listed in this field.

    Transaction ID:This is the unique identifier for the donation transaction in the Benevity system.

    Donation Frequency:Indicates whether the donation was one-time or a recurring donation.

    Currency:Currency applicable to the original donation

    Remote Project ID:This field will only apply to specific projects. If this column is blank, please disregard.

    Source:This field will indicate the reason why a donor was able to donate to your organization (for example, by volunteering).If this column is blank, please disregard.

    Reason:This field will contain more detailed information on how a donation was made (for example, if the donation was made from a donor’s payroll or for a donor’s match). If this column is blank, please disregard.

    Total amount to be acknowledged: Donation amount

    The gift amount in the currency applicable to the original donation

    Match Amount:Any matching gifts applied to the original donation

    A Note About Fees and Acknowledgements

    The tax receipts donors receive from Benevity and our disbursing partners are for the donation amount before merchant or other fees, just as they would be if the donation was made to your organization directly. If you are reaching out to your donors with acknowledgments, please keep in mind that they are expecting to be thanked for the full donation amount.

    Understanding Donation Sources

    The donation funds that your organization receives via the Benevity platform typically come from one or more of the following sources:

    Donations. Funds donated by individuals using one of our client company’s giving sites, usually as part of a workplace giving or volunteering program. Benevity Spark is the name of the software product that powers these sites, although it is renamed by most companies.

    Matching. Matching amounts added by client companies to individual donations.

    Grants or Corporate Donations. In addition to individual donation and matching, Benevity provides software solutions that enable our clients to manage their corporate grant-making programs.

    Gifts of Securities. Donations made through the Benevity platform in which an individual has instructed Benevity to liquidate a personal security and then disburse the cash value of that security to a recipient organization.

  • Follow these steps to activate your organization’s profile;

    Follow this link.

    Choose your country from the drop-down menu and enter your organization’s legal name or EIN/RCN number, then click‘Search.’

    Click on the correct organization from the list, then select the ‘Register Now’ button.

    You’ll be prompted to provide your contact information, create a username and a password, agree to the Terms of Use and confirm you are not a robot.

    How to Create a Volunteer Opportunity for the Kohl’s Associates

    The Kohl's Volunteer Rewards Program utilizes the 'Volunteering' function on the Benevity Causes Portal. To create an upcoming Volunteer Opportunity that the Kohl’s associates can sign up for, please follow these steps:

    Sign in to the Causes Portal

    Select ‘Volunteering’ tab from the left-hand side menu

    Click the ‘Create New Volunteer Opportunity’button

    Fill out the required fields marked with ared asterisk (*)

    For reference, click here forKohl’s program guidelines

    Ensure theevent dateand, if your organization has multiple locations, thechapterorsubdivision nameis included in the 'Opportunity Name'

    Outline thetasks volunteers will be involved in under the 'Opportunity Description'

    Under ‘Visibility’, select ‘Private’ and it will prompt you for ashare-key

    Enter thecase-sensitive share-key:kohls-cause

    Please note: Updates to the profile may take up to 24 hours to appear.

    After the event is created and 24 hours has passed, please let the Kohl’s associates know they can now search and sign up for the event.

    Do the Kohl’s Associates Need to Do Anything After the Opportunity Has Been Complete?

    Following your volunteer event, it ismandatoryfor the associates to confirm their volunteer hours (track their time) through the Kohl's Cares portal, which is a portal exclusive to the Kohl’s associates.

    A minimum of 5 Kohl's associates, from any Kohl's location, must volunteer for a minimum of 3 consecutive hours and have their hours approved before your organization will be considered for funding. Your organization does not need to approve these hours as they are reviewed by the program administrators.Please note:if the employee’s time is rejected, they will receive an email notification indicating the reason for rejection and the time may need to be resubmitted.

    How Can I Find Out if the Associates Have Tracked Their Time?

    To inquire about who has tracked hours for your volunteer event, please contact your local Kohl's location () and ask to be connected with a district administrator (please note:this is different from a Kohl's manager). These administrators have visibility into who has confirmed their attendance (tracked time) to your event and will be able to assist you further.

    When Does My Organization Receive the Reward?

    At the end of each month, any approved employee volunteer hours are reviewed by administrators to determine if the event qualifies for a reward. If your organization’s event is approved for a reward, Benevity will issue the reward in the next disbursement cycle, which occurs in the month following the approval. For example, events are reviewed at the end of May and, for the events that had the qualifying amount of approved submissions, rewards are disbursed around the 23rd of June.

We’ll need some additional information to create a profile this is the first step to be considered eligible!     An email contact for someone with the chartering organization

    To access detailed reports on the companies and people who have donated to your organization through Benevity, you will need to register your profile. Benevity takes care of issuing tax receipts to the donors.

  • What seems to be the problem?

    I have forgotten my password or username

    Follow this link and select 'I forgot my username or password’.

    Enter the email address on file and click ‘E-mail new password’ (note that the password reset email can only be sent to the email address that is on file.)

    After selecting the link provided in the email you will be redirected to a new page. Click on the orange 'Log in'

    Enter a new password in the 'Password' box and type it again in the 'Confirm password'

    Once you’ve entered your password twice, scroll down and select ‘Save’.

    Your password is now reset, and you are logged into the profile.

    I am not receiving the password reset email

    Password reset requests are only sent to email addresses already registered with a profile in the Benevity Causes Portal. If you enter an unregistered email address, we cannot send the password reset email. Please double-check your spam and junk folders for the password reset email and if you still did not receive it please contact our support team to receive new login credentials. Please attach a letter on your organization's letterhead confirming your authority to administer this account OR a copy of a void check with your organization's name and address.

    Someone else has already claimed the profile and I do not know the password or username

    If you see a "Claimed Profile" message on your organization’s profile, this means someone else is currently managing the profile. Please ask around internally to see if someone within your organization has started the process. If you’re not sure who’s managing the profile and would like to have access, please contact our support team to receive new login credentials. Please attach a letter on your organization's letterhead confirming your authority to administer this account OR a copy of a void check with your organization's name and address.

All funds designated to your organization in a month are aggregated, processed, and issued in one payment around the last week of the following month. For example, all donations designated to your organization in May will be disbursed around the last week of June.

  • Many of Benevity’s clients require organizations to Self-Certify annually against common eligibility requirements to qualify for inclusion in their giving or matching programs.

    The declaration gives organizations the chance to clarify their internal policies regarding where funds will be directed. The answers you provide will be collected only by those clients who require the declaration and will then be aligned to their specific program requirements.

    The Self-Certification Declaration is valid for one year from the date of completion and needs to be renewed on an annual basis. If at anytime you'd like to amend your Self-Certification, you will have to submit anewdeclaration.

    Follow the steps below to complete the Self-Certification Declaration:

    First, log in to the Causes Portal.

    Select‘Certification’in the left-hand side menu.

    Select the box labeled‘Create New Self-Certification Declaration’.

  • Cancelled disbursement reports can appear on your profile for a number of reasons. Either the donor or company cancelled their gift to your organization prior to disbursement, or the disbursement failed and we will reissue the funds to your organization at a later date. In the latter case, the corresponding donor reports will be visible once you receive the funds.

  • Disbursement Reports from Benevity for donations made prior to November 30th 2018 were originally provided in two older formats:

    The Detailed Reportlists donor contact information (as available depending on donor preference)

    The Donations Source Summarylists total donation amounts per company, along with any applicable fees in aggregate and the net payable disbursed to your organization

    The Donation Source Summary Report will:

    Provide total donation amounts by company, any applicable fees, and the net payable disbursed to your organization.

    Provide information as to which clients cover the fees and which pass the fee along to the donation. If a company has a footnote number listed next to it, see 'How are fees deducted' at the bottom of the page, which outlines fee allocation information by client.

    If there’s no footnote number beside a client's name, they have elected not to cover any fees.

    Donation Source Summary Reports will only display on disbursements prior to September 2018.

  • Fees are based on the cost of vetting organizations for program eligibility, collecting and processing donations, disbursing funds and preparing donor receipts and cause reports. These costs, and the fees applied to them, can vary for individual client companies, depending on the size and nature of their programs, the countries in which they are operating and other factors. In some cases, our clients wish to pay the fees associated with the donation and/or match to “top up” the amount given to the cause. The average Donation and Match fee for our platform is approximately 2.9\% of the gross donation amount.

  • For organizations located in Canada or the United States, signing up for Electronic Funds Transfer (EFT) as a payment method is optional. PayPal is also accepted as a payment method in North America. Registering for Electronic Payments is a mandatory step for organizations outside of North America, as Benevity can only disperse international funds electronically.

  • Follow these steps to manage multiple profiles with one set of login credentials:

    Login to your current profile on the Causes Portal.

    Select ‘Charity Profile’ tab from the left-hand side menu.

    Click on the ‘Register Another Charity’

    Click on the ‘Take me to the search form’ and enter the EIN/RCN or legal name of the additional account you will be managing.

    Select your organization from the results page and click on the green 'Register Your Charity' button to claim and register the additional profile.

    You can now switch between your profiles by selecting your organization from the ‘Currently Managing’ drop-down menu in the top left corner of the site.

  • It can take one full disbursement cycle for your payment method to take effect, as we may have already begun processing the payment when your application was approved. Going forward your disbursements will be sent electronically if the Electronic Donation Payment section of your profile is complete.

  • Depending on how much progress you made in the application, your username and password may not have saved. If you submitted the application, you can’t re-access it because your username and password were deactivated as soon as it was sent.

    Each time you start a new application, a new username and password will be assigned to it. Once the application has been submitted, the login credentials will no longer be active.

    To view your Apple Developer Program Team ID, sign in to your account on the Apple Developer website. If you’re using a Payment Service Provider (PSP) to enable Apple Pay, your PSP will provide you with a suitable Team ID.

Because of this, we encourage you to keep track of the emails you receive notifying you that someone has registered for your event.

  • You cannot delete a Volunteer Opportunity. If you no longer wish to make a Volunteer Opportunity visible to our clients' employees, you need to un-publish it. To do this, follow the below steps:

    Log in to the Causes Portal.

    Select the ‘Volunteering’ tab from the left-hand side menu.

    Click 'Edit' under the Volunteer Opportunity you want to unpublish.

    Scroll down to the bottom of the page and un-check the 'Published'

    Click 'Save'.

  • Volunteer Opportunities can be used when an organization needs volunteers for an event they’re hosting. Our clients' employees can then search for the Volunteer Opportunity and register to help at the event. When someone registers for one of your events, you’ll receive an email notification informing you of their signup.

    Please follow the steps below to create a Volunteer Opportunity:

    Log in to the Causes Portal.

    Select the ‘Volunteering’ tab on the left-hand side of the Causes Portal.

    Click the button ‘+ Create New Volunteer Opportunity’.

    Fill out all the necessary fields.

    Under the 'Visibility' section, select Private, or Public. Choosing Public will make your content viewable to everyone. Choosing Private will make it viewable only to specific clients' employees, if you’re using a Share Key provided by the client.

    Ensure the ‘Published’ box is checked, and click ‘Save’.

    Any changes made to the profile may take up to 24 hours to become visible.

    If you work closely with a company for volunteer events, please reach out to your contact to see if a Share Key is necessary. Share Keys may be required for some of our clients' programs, as they are used to populate the event for that client specifically. Please note if a client requires a Share Key and you do not enter it, the volunteer event will not be visible in their Workplace Giving Program.

  • You can un-publish a Project on your profile by following these simple steps:

    Log in to the Causes Portal.

    Select the ‘Projects’ tab from the left-hand side menu.

    Scroll down to the bottom and un-check the box marked ‘Published’

    Click 'Save' once you’ve completed these steps.

    Since Projects can’t be deleted, you’ll still be able to see the un-published Project. However, donors will not be able to see it once the ‘Published’ box is un-checked.

  • Projects are designed to allow donors to designate their funds to specific programs and initiatives your organization runs, rather than donating their funds to the overall organization.

    Projects can also be used when larger charitable organizations share one charitable registration number. Within the Benevity Causes Portal there can only be one profile per charitable registration number. Larger organizations sharing a charitable registration number with multiple chapters can use Projects to provide a way for donors to designate their funds to a specific chapter.
