View ArticleYou can set up a custom tracking domain in BuzzStream so that you can use your own domain when tracking email opens and clicks. This offers a number of advantages over using the standard BuzzStream tracking domain, primarily by giving you more control over email deliverability and reputation management.
How to set up custom domain tracking
Setting up a custom tracking domain is fairly straightforward. To begin, just go to your BuzzStream settings:
Litmus
From there, click Tracking Options on the left hand menu. Note that this section is only available to the admin of your BuzzStream account. If you don't see the that tab in your settings, contact your BuzzStream admin so they can continue with setup.
Now, just click Add Domain and follow the instructions in the new window.
One important thing to note: in order to create a custom tracking domain, you need to create a subdomain for your site (e.g. go.mycompany.com). Then, youll need to create a CNAME DNS record pointing to tx.bz-mail-custom.com. This may require you to get in contact with your domain manager if youdon'thave these permissions (or have no clue what any of that means).
Onceyou'vecreated your sub-domain, add the tracking domain to the field at the top of the window, then hit Validate. BuzzStream will list the tracking domain below, as well as whether its valid or not and which emails are associated with that domain.
DNS changes may take a while to propagate. Please allow up to 48 hours for the change to take effect (though usually it will be much faster). We will automatically start using the domain once we see the changes, even if it doesn't pass validation when initially added.
Custom domain tracking behavior
Once you've set up your custom domain, we will use it to track your opens and clicks as well as use it in any unsubscribe fields you've set up.
We will regularly validate your sub-domain, so if it disappears for any reason we will revert back to our standard BuzzStream tracking domain for future emails. However, emails that have already been sent using the custom domain will not register future events once the DNS is removed.

GDPR is a framework that sets guidelines for the collection and processing of personal information of individuals within the European Union. BuzzStream is committed to meeting the requirements set forth in the GDPR framework and to helping our customers meet their security and privacy requirements.
This document outlines the processes, controls and certifications that BuzzStream has put in place to meet our GDPR obligations. This document also details the data-related roles and responsibilities related to the use of BuzzStream.
BuzzStream as the data processor
The journalists, authors and website owners you store in your BuzzStream account in the Websites and People tab are your data subjects and you are considered the data controller for this personal data. When you use BuzzStream to research contacts, manage your relationships, and to conduct outreach, BuzzStream is serving as the processor for the data you submit to the service.
BuzzStream as the data controller
For the data we collect about our customers, BuzzStream acts as the data controller. This includes data that we need in order to perform our contract with you, as well as data we need to meet our obligations under GDPR Article 6.1.c. Additionally, we process your personal data to improve the app, to ensure your data is secure, and to notify you of changes to our product.
BuzzStreams GDPR readiness efforts

Privacy Shield and data transfer
BuzzStream has certified our services, for which we act as a data processor, under the EU-U.S. Privacy Shield Framework and the Swiss-U.S. Privacy Shield Framework. Our certification ensures our commitment to complying with the requirements for data collection, use and retention of personal information as set down by the U.S. Department of Commerce. Amending, Deleting, or Sharing Data
First, you will always have full control over contact data.
You can amend or delete data directly within the BuzzStream app.
fairly in-depth overview
If a contact lawfully requests access to their data, you can export data directly to share with them.
Unsubscribe Options
BuzzStream allows you to add an unsubscribe option to any of the emails you send. Although it may not be necessary in all outreach contexts, it is highly recommended you provide this option as an alternative to getting reported for unsolicited outreach.
Tracking Options
BuzzStream gives you complete control over the types of outreach data you track. You can easily turn open and click tracking on or off from anywhere you send outreach.
How GDPR Affects Data Processing for Outreach
The important thing to remember is that the GDPR is primarily concerned with handling data ethically and according to the intended purpose.
Because the majority of the time consent will not be explicitly given on the part of your contacts (becauseyou'vefound relevant bloggers through a Google search, for example), the relevant part of the GDPR legislation governing outreach is Article 6 (f) which states:
Processing shall be lawful only if and to the extent that at least one of the following applies:
processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.
The legitimate interests clause does bring about some debate as it is one of the most frustratingly vague components of the legislation, however a closer look at Recital 47 seems to clarify that as long as the outreach is legitimate and relevant it is acceptable to collect information for that purpose.
Recital 47 states:
(47) The legitimate interests of a controller, including those of a controller to which the personal data may be disclosed, or of a third party, may provide a legal basis for processing, provided that the interests or the fundamental rights and freedoms of the data subject are not overriding, taking into consideration the reasonable expectations of data subjects based on their relationship with the controller.
And
The processing of personal data for direct marketing purposes may be regarded as carried out for a legitimate interest.
According to the ICO (the UKs independent authority with the mission of upholding information rights) the at a glance summary of legitimate interest is as follows:
Legitimate interests is the most flexible lawful basis for processing, but you cannot assume it will always be the most appropriate.
It is likely to be most appropriate where you use peoples data in ways they would reasonably expect and which have a minimal privacy impact, or where there is a compelling justification for the processing.
If you choose to rely on legitimate interests, you are taking on extra responsibility for considering and protecting peoples rights and interests.
Public authorities can only rely on legitimate interests if they are processing for a legitimate reason other than performing their tasks as a public authority.
There are three elements to the legitimate interests basis. It helps to think of this as a three-part test. You need to:
identify a legitimate interest;
show that the processing is necessary to achieve it; and
balance it against the individuals interests, rights and freedoms.
The legitimate interests can be your own interests or the interests of third parties. They can include commercial interests, individual interests or broader societal benefits.
The processing must be necessary. If you can reasonably achieve the same result in another less intrusive way, legitimate interests will not apply.
You must balance your interests against the individuals. If they would not reasonably expect the processing, or if it would cause unjustified harm, their interests are likely to override your legitimate interests.
Keep a record of your legitimate interests assessment (LIA) to help you demonstrate compliance if required.
You must include details of your legitimate interests in your privacy information.
As of now, it is important to discuss within your organization whether the types of outreach you are sending meet the criteria set forth in GDPR for European outreach targets. There is no one size fits all approach.
Data Storage for Outreach
One of the other big questions around GDPR as it relates to outreach falls under the data storage criteria set forth in the regulation.
Again, theres a lot of grey area surrounding the requirements around data storage. Effectively, you should keep data only so long as it is appropriate for you as an organization. Based on a of the policy (also from ICO):
Personal data will need to be retained for longer in some cases than in others. How long you retain different categories of personal data should be based on individual business needs. A judgement must be made about:
the current and future value of the information;
the costs, risks and liabilities associated with retaining the information
the ease or difficulty of making sure it remains accurate and up to date.
Where personal data is held for more than one purpose, there is no need to delete the data while it is still needed for any of those purposes. However, personal data should not be kept indefinitely just in case, or if there is only a small possibility that it will be used.
If you know that a campaign will be a one-off where you will almost certainly not be reaching out to those contacts again and have completed all reporting on said campaign, it may be prudent to remove those contacts from your database after a period of time defined by your organization. Again, there is no firm regulation around appropriate time periods as of now, so youll need to determine the right time constraints around the storage of contact data for your organization.

Sequences are pre-configured workflows that automate steps in the outreach process and help you stay focused on the right outreach activities. Here are three major benefits you'll get from using Sequences:
Scale: Schedule all your follow-up emails to either send automatically, or remind you automatically, so you can focus on other areas.
Organize: You'll be easily able to tell exactly where each contact is in a sequence.
Measure and improve: Track the success metrics of all of your sequences, helping you further target your outreach workflows and messaging.

From here, I'll be placed my the Sequences tab, and can click Create New Sequence. (If you want to access your templates you created earlier, you can access them from the Templates tab to the right of the Sequences tab.)
Now you'll get to title your sequence, add its subject line, and fill out the body of the first email in your sequence. If you'd like to leverage a template you previously created, you can select Copy from a template and select the template you'd like to use.You can also choose to share your sequence with your team by checking the box in the upper righthand corner.

If you'd like it to appear as a reply, simply check the box labeledSend follow-ups as replies. When it comes to populating the email, don't forget that you can always leverage an existing email template, or create a new email.
Once you've added your first follow-up email, you can either add another follow-up email or hit Save to start using your sequence.

You can use Bulk Send in either Websites or People and it'll work. If the templateyou'veselected uses People dynamic fields, like [First Name], it might be a good idea to send from People. However, if you send from Websites, you can easily send to associated People by clicking on the pop-up that appears.

To preview an email, click on the ellipses (...) to the right of a contact's email address, then select Preview Email. From there, you'll see the email with all of its merge fields filled in, and be able to send a test email to yourself.
II. Using Bulk Send in Websites
I got this pop-up. What does it mean?
This pop-up means you selected Websites to send your Bulk Send campaign to, but you have a Person dynamic field included in your template.
Because of that, you'll want to switch to sending to associated People instead of Websites so those dynamic fields can be filled in. To do that, simply click the green Yes button. Otherwise, you would need to fill in all of those People dynamic fields manually.
The pop-up didnt resolve all of my errors, or Ive run into other errors. How do I solve them?
There are the five possible errors you can encounter when using Bulk Send in Websites:
Missing Email Address
Select Recipient
Missing dynamic field information
Already Used Email Address
Invalid email
Let's walk through what each one means, and how you can resolve it.
1. Missing Email Address
This error means you:
Dont have an email address associated with this Website (if youre not sending to associated People)
Dont have a Person associated with the Website (if youre sending to associated People)
To fix this error, you can click on the error name [Missing Email Address], then either add an email address to your Website from here, or select "Adda new person" from the dropdown.
If you add an email address to the Website, you'll see any contact information BuzzStream has discovered for that website.
If you add a Person, youll fill in the Persons name and email address. Youll also have access to the Discovered Contact Information.
Once youre done, hit Save, and the error will be resolved.
2. Select Recipient
This error means you either:
Have an email address associated with the Website, but no Person associated with that email address
Have multiple people associated with the Website
Have multiple email addresses associated with the Website
One way to fix this error is by creating a Person or associating an existing person with the email address you have on file.
To do that, click on the error name [Select Recipient], then hover over the email address youd like to use. On the right, youll see green text saying Add to a Person. Click on that green text, and fill in the Persons name.
If the Person already exists in your database, you can select their name from the dropdown that will appear as you type their name out. Otherwise, if the name you enter does not exist in your database, youll create a new Person once you hit Save.
Another way to fix this error is to specify which of the People or email addresses associated with this Website do you want to receive the email. To do that, click on the error name [Select Recipient], then select your desired Person or Website email address from the drop down.
3. Missing dynamic field information
This error occurs when a Person or Website is missing information that is going to be used in the dynamic fields in your template.
If only a few of your contacts are missing dynamic field information, you can fill it in manually by clicking on the [missing] tag, then typing in the desired information, and hitting Enter. Once you do, your error will be resolved.
If you have many users missing dynamic field information, we recommend using an Import to update those fields in bulk.
4. Already Used Email Address
This error means you already have this email address associated with another contact that youre trying to send outreach to in this Bulk Send session.
To fix this error, click on the ellipses button (...) on the right side of one of the email addresses with the Already Used Email Address tag. From there, select Remove from list, and the error will be resolved.
5. Invalid email address
This error means the email address associated with your contact is not a valid email address.
To fix this error, review the email address for syntax errors, or add a new email address that is valid.
III. Using Bulk Send in People
There are the four possible errors you can encounter when using Bulk Send in People:
Missing Email Address

If only a few of your contacts are missing dynamic field information, you can fill it in manually by clicking on the [missing] tag, then typing in the desired information, and hitting Enter. Once you do, your error will be resolved.
If you have many users missing dynamic field information, we recommend using an Import to update those fields in bulk.
3. Already Used Email Address
This error means you already have this email address associated with another Person that youre trying to send outreach to in this Bulk Send session.
To fix this error, click on the ellipses button (...) on the right side of one of the email addresses with the Already Used Email Address tag. From there, select Remove from list, and the error will be resolved.
Note that this tag is not telling you that you've sent to this same email address in a different Bulk Send campaign, only that you're trying to send to the same email address twice in your current Bulk Send campaign.
4. Invalid email
This error means the email address associated with your Person is not a valid email address. To fix this error, review the Persons email address for syntax errors, or add a new email address that is valid.

If you havent already, check out our to see how to use Bulk Send in a way that won't lookspammy to your email provider.
As always, if you have any questions or would like any assistance, never hesitate to contact us at [email protected]
View ArticleOur bulk send feature gives you a powerful new way to conduct outreach. In cases where you need to follow up to large groups of contacts, send out press releases to online publications, or push more general announcements to listsyou'vealready got a relationship with, this option will make you much more efficient. However, as all good web-slingers and web-marketers know, with great power comes great responsibility.
Google has been cracking down on spam and unsolicited messages, so misuse can have serious repercussions for your business or your clients. Read on to learn how to use this feature safely and effectively.
1. Send only to carefully targeted lists
While spray and pray outreachisn'tsuper-effective to begin with, sending large volumes of messages to contacts thataren'tdirectly relevant to your campaign is going to increase the likelihood that youll be perceived as a spammer.
Instead, focus significant time and attention up-front on the prospecting side of list-building. Youll be rewarded with better responses and youwon'ttrigger spam complaints.
For example, youll have much better results sending an email about your new HVAC product to sites interested in industrial supply, not ones that cover digital marketing(Yes, weve seen this).
2. Spread out your email send times
While wedon'tplace limits on the number of emails you can send in bulk, it still pays to be cautious here.
Email clients can get suspicious of large volumes of email being sent at once, particularly if it regularly exceeds their daily send limits.
To avoid issues in this area, break up large campaigns into several sends. If you want to play it safe, wed recommend limiting your bulk sends to 200 emails per day.
3. Limit your followups
Following up can be a great way to get a contact to take action on your email.
However, it can also be very annoying and lead to spam complaints if you go overboard.
Each followup to a message without a reply increases your likelihood that youll be flagged, which can impact deliverability for your whole list.
To avoid this, limit followups to a bare minimum and test with smaller lists before scheduling them en masse.
4. Dont send from new email accounts (particularly ifthey'refree)
Google and other email providers place much more scrutiny on new email accounts than on older, trusted ones.
Therefore, activity that would be fine coming from an established account can cause Google to raise red flags and inhibit deliverability while they investigate to make sure theyaren'tbeing gamed by a spammer.
Try to avoid sending in bulk from new email accounts altogether for best results. If that is not an option, wed recommend using a paid email client such as AWS, Exchange, or SendGrid.
If you haven't already, feel free to check out our Bulk Send FAQ to help youaddress common "Need to Review" errors while using Bulk Send.

If BuzzStream finds a Link Partner in your import that is already in your database, it can update the Link Partner's information for you.
Choosing the "auto-update existing contacts" option will cause imports to run slower and take more time, so only select it if you have new information that you need updated.
Key things to rememberwhen importing existing contacts and selecting Auto-Update:
1. If you use projects, the current project selected when you click on import will be the project that your records are imported into.
2. When you select 'auto-update', some fields for the Link Partner will be replaced with the imported values and some fields will added to the Link Partner. For example, if you import a new 'Email' address, the existing email addresses will be left on the contact record and the new one will be added. In contrast, if you import a new value for the 'Assigned To' field, it will be changed to the new value.
3. Some imported values will be replaced in the current project only, and other fields will be replaced in all projects. For example, the contact info for a Link Partner will be replaced in all projects if updated in your import. 'Relationship Stage' is a project specific value that will only be replaced in the current project you are importing too. Additionally, imported values for 'Custom Fields' are updated to the configuration of the specific custom field you are importing to. (Custom Fields can be configured to be have project specific values or to have values that apply to all projects.

Occasionally you may notice that characters that appear to be correct in BuzzStream will not be represented accurately after you open your CSV file in Excel. This is due to a Microsoft Excel issue where are all CSV files are opened in Excel with the assumption that text is formatted as ASCII Text.
This issue can be corrected in MicroSoft Excel 2007 and 2010 for PC. MicroSoft Excel 2011 for Mac does not resolve this issue.
To correct this issue you must import the BuzzStream CSv file into Excel and set the Character encoding.
Export the CSV file and Save it. DO Not open it.
Go to Excel 2007 or 2010. Open a new worksheet. Click on the Cell A1. This is the where the data will be imported.
Find theDatatab, in theGet External Datagroup, clickFrom Text.
Locate and double-click the BuzzStream Export file that you want to import.
Set the file Type as Delimited and the Character format from options as Unicode UTF8. Click Next.
Select the Delimiter of the file to Comma using the checkboxes. ByDefaultthe export format from BuzzStream is commaseparated. (Some accounts may be customized to use Semi Colon's or Tabs. Choose the delimiter set in your BuzzStream if your exports are not comma delimited. If you are unsure check with the owner of your BuzzStream account.)
Click Next.
Click Import to finish.

Any Applied Filters directly affect exports. The only data exported is the data that matches the filter.
For example I have 1500 Link Partners in muy account spreadacross3 projects. 500 Link Partners in the project SnowShoes. There are 135 Link Partners assigned the the tag "Product Reviews" in the SnowShoe project.
If I am in the project SnowShoes and I filter all Link Partners by"Product Reviews" there will be 135 records returned. If I then do an export from Link Partnerstheresulting csv file will have 135 Link Partners.
View ArticleYou can export your data from BuzzStream at any time.
All Exports are delivered as CSV files with a comma delimiter. Character encoding in the exported file is Unicode UTF-8.
To learn more aboutthedifferent exports you can download in BuzzStream see" What the difference between Exports in People, Link Parters (Media Outlets), and Links? "
View ArticleBy default the Export CSV file delimiter is a comma. Some countries like the Netherlands and otherEuropeancountriesuse Semi Colon's or Tabs as the defaultstandardfor CSV files. Microsoft Sets this default in theoperatingsystem (found in Regional and Langauge Options in the Regional Options tab).
This setting can be customized for your BuzzStream account by the account owner.
To have the delimiter of all exports and imports changed from a comma to a semi colon or a tab delimited file please contact us at customer-service (a-t) buzzstream (d-o-t) com.
