
CapLinked's Frequently Asked Questions page is a central hub where its customers can always go to with their most common questions. These are the 45 most popular questions CapLinked receives.
By Default, when workspace members enter a workspace, they will be directed to the Overview page.
Follow the steps below if you preferworkspace members to be directed to the Files Page:
1. Once in the desired workspace, navigate to the Settings page.
2. From the General tab under Workspace Preferences, check the box that reads:
"Set the Files page as the workspace home page instead of Overview."
3. Press the "Save Workspace Settings" button after making the desired changes to your workspace.
If the workspace is published, workspace members will be directed to the Files Page from the following locations:
Invitation to the workspace
Reminder (invitation) to the workspace
Link to the workspace from the CapLinked Dashboard
Login page for specific workspace
The Overview tab will still be visible to workspace members.
If you don't see the checkbox to enable this option, please contact [email protected] to make sure it is enabled for your account.
View ArticleCaplinked is enabled with Advanced Search capabilities, meaning you can search for files within a workspace by entering exact words or phrases in a search field.
To get started, navigate to your Files page on Caplinked and select the downward arrow next to the search bar to get the advanced search options.
Find Files With:
1.) The first field is mandatory to enable advanced search. It must contain an exact word or an exact phrase within the content of the file you are searching for.
For example, we can search the word Marketing and we will find all files which contain this word.
You can also search an exact phrase, for example: Marketing strategy for 2016. Only files that contain this exact phrase will be generated.
2.) If you are not certain of the exact phrase, you can search by key words. For example, enter Marketing in the first field and Strategy in the second field. All files that contain the words Marketing and Strategy will generate.
3.) You may add an additional word to be included in your search. For example, you may enter 2016. Only files that contain the words Marketing (first field), Strategy (second field), and 2016 (third field) will appear.
4.) The fourth search field allows you to exclude words from your search. For example, if you enter the words December contracts, no files containing these words will generate in your search.
Narrow your results by:
You may search for a file by the date the file was created by selecting the drop-down menu next to "Created At". You also have more options to search for files by their Updated status, Viewed Status, or Downloaded Status.
View ArticleDigest Emails
By default, all workspace members are subscribed to a daily email digest that includes updates on activity that they have permission to view. If noactivity transpires in a workspace ina given day that the user has permission to view, nothing will be included in the digest email. If no workspaces have activity transpire, no digest emailwill be sentfor that day.
Note: Workspace admins cannot edit the digest email settings for their workspace members; digest emails contain information for all workspaces that the member belongs to, not just one particular workspace.
Users can update their email preferences and set their notification email frequency to Never, Weekly, Daily, 6 hours or 1 hour. Each user can edit their email preferences by logging into their account and following these steps:
Select their name in the top right corner
Select Profile
Select Email Preferences
Select the dropdown menu under Notification Digest Frequency
For admins, the email digest will include:
Files added by other admins in the workspace
User has accepted your invitation
User has joined the workspace
User comments on a file
Admin adds question to the FAQ
Updates that were posted by other admins
For non-admins, the email digest will include:
Files added and are available in the workspace
A new question has been added to the FAQ
Admin has replied to your comment
An update has been posted
Disabling Notifications for a Workspace
When a workspace member (admin or non-admin) does anything within a CapLinked workspace, an activity is logged and viewable for admins only in the activity tracker.
If you would like to disable an email going out regarding your particular workspace, go to yourSettingspage on Caplinkedand un-check the "Send notification emails to workspace members" option under the General tab. Press "Save Workspace Settings" at the bottom of the page after making the changes. Workspace members will still receive Updates, Invitations to join the Workspace, and private Messages.
Note: If a CapLinked user belongs to another workspace and that workspace has activity in a given day, they will still receive a digest email with the respective workspace's activity.
View ArticleI. How to Export Contacts as a CSV
Gmail
You can quickly export your Gmail Contacts list into a CSV file. Here's how:
1. Sign in to Gmail.
2. ClickGmailat the top-left corner of your Gmail page, then choose Google Apps on the top-right.
3. Select Contacts.
4. SelectExport.
5. Choose whether to export all contacts or only one group.
6. Select the format in which you'd like to export your contacts' information. Please note that some of these formats can lose some contact information.
7. To transfer contacts between Google accounts, use theGoogle CSVformat. This is the recommended way to back up your Google Contacts.
8. ClickExport.
9. ChooseSave to Diskthen clickOK.
10. Select a location to save your file, and clickOK.
Depending on the requirements of the program to which you're exporting your contacts from Gmail, you can easily edit the file to fit your needs.
Outlook
You can export contacts to a file that can then be imported into other applications, such as Web mail clients, Excel spreadsheets, or database applications.
The most common export file format is a comma separated value (CSV) file. If you are exporting contacts for use in another copy of Outlook, we recommend that you choose an Outlook Data File (.pst) in step 6 below.
1. Click theFiletab.2. ClickOptions.3. ClickAdvanced.
4. Under Export, click Export.
5. In theImport and Export Wizard, clickExport to a file, and then clickNext.
6.Under Create a file of type,select the export type as CSV.
7. UnderSelect folder to export from, select the contact folder that you want to export, and then clickNext.
9. UnderSelect folder to export from, select the contact folder that you want to export, and then clickNext.
10. UnderSave exported file as, clickBrowse, select a destination folder, and in theFile namebox, type a name for the file.
11. Click OK.
12.In the Export to a File dialog box, click Next.
13. Click Finish.
II.Formatting the CSV
If you are generating a .csv file from a source other than Outlook, make sure that the file includes a header row that includes entries for 'first_name,' 'last_name,' and 'email.' To do this, open the CSV File, and verify that the proper header entriesare in row 1. If the fields are namedsomething else (e.g. Given Name, Email, etc.), you will have to re-name them.
Save the document as a Comma Separated Value (csv.) file type
III. Uploading Contacts Into CapLinked
From the CapLinked Dashboard, click "Contacts," then click "Import from CSV" to get the following prompt.
Click "Select file," and upload the contact list. By default, it will upload to All Contacts, but optionally you can create contact lists to further organize your contacts.
If you receive the error below, please ensure that your email addresses do not contain any special characters after the domain with the exception of a period. If you continue to receive this error after making the proper changes, please contact support.
If you would like to create groups within your Contacts list, you can do so by following these steps:
1. Go to your CapLinked Dashboard
2. Select "Contacts"
3. Select "Create List"
4. Enter list name and select "Add"
5. Select "Import from CSV"
6. Select "Import to list" dropdown menu
7. Select your new list
8. Select "Select File" and upload your CSV file
You will see all of your lists on the Permissions page during the Invite stage.
View Article2-Factor Authentication adds an extra layer of security to your account. You will be required to enter a numerical code along with your username and password when signing into your account.
To set up 2-Factor Authentication, follow the steps below:
Login to CapLinked at secure.caplinked.com
Select your name in the top right corner
Select Profile Settings
Select Set Up Two-Factor Auth
You will then be presented with the following page:

If you do not have a smartphone, you will select the Set up SMS option.
Enter your phone number.
You will receive an authentication code via text message. Enter the code on the provided page:
If you do have a smartphone, you will can select Set up App. You will then be prompted to download an authenticator app. We suggest downloading the Google Authenticator. You can download the app .
Once you have downloaded an app, you will scan the code provided on the following page:
After scanning the code, you will have successfully enabled Two-Factor Authentication for your smartphone. To retrieve your code, you can enter the app and your code will be listed:
Note: you will be required to enter a new code each time you log into your account.
View ArticleWatermarking
Watermarking stamps each file with an image that identifies the user who is accessing the file. This will be applied to all file types in the viewer and on PDFs* upon Download.
*All files that can be viewed in the web browser will have a watermark applied when viewing. However, only PDFs will receive a watermark when downloaded; all other files will not receive a watermark when downloaded.

DRM
If DRM is enabled for a permissions group, users will be required to enter their CapLinked credentials before viewing downloaded files. Administrators have the option to revoke access to the files at any time, or set a date on which access will be revoked. If access is revoked, versions of the file that have already been downloaded will no longer be openable.
Users will not be able to edit, copy, or print downloaded DRM documents.
DRM is directly applied to PDF documents. All Excel and Word files will be converted to PDF upon download so DRM can be applied. If you would like your users to access Excel files in Excel format, please contact [email protected] to have Document Editing enabled for your account (see below).

Document Editing
With the Editor enabled, workspace admins have the ability to access the Editor and save new versions of a file, decide which version is displayed on Files page, copy, move, and rename files.
With the Editor enabled, non-admin users with Upload access can use the Editor and save new versions of a file.*Non-admin users without Upload access cannot use the Editor (and will not see the option).
There is an additional option to allow non-admin users without upload access to see the document and any underlying formulas (e.g. with Excel files), but cannot change the text or numbers within the file.
*Note, when the Editor is enabled, users can copy the content from the files they are viewing in the Editor.
This feature is set on the team level. Therefore, any workspace that is part of a team with this feature enabled will have Editor capabilities.

View ArticleThere is now the ability to invite users from the Dashboard. Only a team member can invite additional team members, workspace admins and workspace members (non-admin users) through the Invite People feature on the left sidebar of the Dashboard. Prior to inviting non-admins to a workspace from this invitation flow, a non admin group must be created first and have permissions set from the workspace Permission page.
The ability to invite users from the Permissions page is still available and can be used by workspace admins, as well as team admins.For information on how to use the Permissions page invite feature, please reference the support article below:
Add Members or Administrators to a Workspace
How to Use the Invite People Feature
1. Click Invite People from the Dashboard.
2. Select which type of user you want to invite.
3. Select the correct team/workspace that you want to add members to by choosing from the drop-down option.
4. If you're inviting members to a workspace, select the appropriate non-admin group.
5. Input the email and name of your desired invitees.
6. Select the expiration date for the invite(s) by choosing the drop-down option. By default, the invite(s) will expire in 14 days, unless otherwise selected.
7. Click Send Invites.
"Add Many" Option
The "Add Many" members feature allows team admins to copy and paste up to 100 email addresses at a time to be sent an invite. This feature can be used to invite team admins, workspace admins, and workspace members. A comma must be added to separate each email address.
1. Click Invite People from the Dashboard.
2. Select which type of user you want to invite.
3. Click Add Many.
4. Copy and paste or manually input each email address, making sure to separate each with a comma.
5.Select the correct team/workspace that you want to add members to by choosing from the drop-down option.
6.If you're inviting members to a workspace, select the appropriate non-admin group.
7.Select the expiration date for the invite(s) by choosing the drop-down option. By default, the invite(s) will expire in 14 days, unless otherwise selected.
8. Click Send Invites.

At the bottom of the page under Send Invites, there is the ability to view current pending and accepted invites based on the selected team, workspace, or group that is chosen. To view this, click See Pending and Accepted Invites.

Once enabled, the "Quick Tour" option will appear on your dashboard for a first time walk through and remain on your dashboard if you ever need a refresher while active in your account.

1. When an admin logs into their account there will be a green "Quick Tour" button.

Administrators can manually send their users an invite link if the user is not receiving the invite in their inbox. An admin can manually send an invite link by following these steps:
1. Log into your account
2. Navigate to the Permissions page
3. Search for the user's name
4. Select "Invite Options"*
Email deliverability of CapLinked emails
5. Select Manual Invite
Once you generate a manual invite link, your native mail client will be opened so you can send a direct message to the user's email address you have on file. You will also be provided with the direct invite link in the event your mail client does not automatically open. Please make sure to only send the invite link to the intended recipient.
*The option to send a manual invite link will only appear for "Pending" users. Pending users are users who have not yet accepted their invitation.

View ArticleWhen inviting members to a workspace, occasionally the invitation emails will not reach the recipient's inbox. There are several reasons that this mayoccur.
1. The email has been marked as spam. Depending on the invitee's individual settings, firm-wide IT settings, or other factors, automated emails from [email protected] have been sent to their spam folder. Have the invitee check their spam folder for the invite, and make sure they change any settings that will cause future emails to be categorized as spam.
2. The email was mis-typed in the permissions page. Please re-examine the email you've enteredinto Caplinked by going to the Permissions page and finding the invited member. If you find that the email was typed incorrectly, delete the workspace member and re-invite them with the correct email address.
3. The email was not accepted due to IT settings at the invitee's company/firm. These settings, unfortunately, are out of CapLinked's control. If the two former scenarios are not the explanation for the invite not being received, please forwardinstructions regarding whitelisting, as detailed below.
Upon delivery of the invite email, the link to set one's password and gain access to a workspace will expire after 72 hours. CapLinked uses this protocol to comply with various security standards, including SOC2.
If an invitee's link has expired, go to the permissions page and click the "Remind" button next to the invitee's email, and they will receive a new link.
What can I do to ensure workspace members receive emails from CapLinked?
To ensure email deliverability, have the workspace member's firm to addthe following domain and IP address to your email sender whitelist:

If thefirm employs an email hyperlink scanning system (e.g. McAfee ClickProtect), add the following domains to the Allow List:

View ArticleThe following download options are all available from the Files view.
Download All Files. This option is made available by clicking the dropdown arrow next to the download button. This will download all of the Files in the workspace, or whichever files are available to you within that workspace.
Download. This option will download whatever your selection is. You may select one or multiple files or folders. This can be useful when you want to download specific documents or group of documents at one time. To be clear, you can select and then download
one file
one folder
multiple files
multiple folders
multiple files and folders
If you select one file for download, it will download directly to your computer. Otherwise, the contents of the download will go directly to your computer as a .zip folder.
You can exit out of the Caplinked browser and this will not interrupt the download process.
Index Report.This button downloads a .csv list of every file and folder available in the workspace to the individual who downloads it.
View Article1. Ensure at least one folder has been created in the workspace. If not, click "New Folder" and create your first folder.
2. Select a folder, and click the green "Upload" button.
3. Drag and drop files into the indicated space, or click "Choose File" to make your selection. With Google Chrome, you have the option to drag and drop foldersinto the upload field, which will upload the folders and their contents.

To enable a disclaimer for your workspace, follow these steps:
Navigate to the Settings page
Select the Manage Disclaimers tab
Select "New Disclaimer and upload document
If you upload multiple documents, you can select the default disclaimer by selecting the title of the document and then selecting the blue Make default button.
To assign disclaimers to specific members:
Upload two or more disclaimers
Select Assign disclaimers to users
Select the members name
Select the disclaimer under Disclaimer
You will then select the same disclaimer under Choose Disclaimer Assignment
You can confirm the correct disclaimer has been assigned by reviewing the Disclaimer column next to the members name
Note: Disclaimer must be a .pdf or .doc file type.

View ArticleWhen a new parent folder is added, by default, its view, download, and upload access is denied.All parent folders are viewable by admins only until explicitly assigned.
When a new child subfolder is added, by default, it will adopt the view, download, and upload access of it's parent folder until explicitly assigned.
To grant access to folders (and subfolders) and their contents and assign View, Download, and/or Upload permissions, follow these steps:
Navigateto the Permissions page.
Select the Non-Admin group to which youd like to assign folders.
Clickthe "Folder Permissions" tab.
The three columns next to the folder structure illustrate actions allowed for View, Download and Upload.
A folder with a right facing arrow can be expanded to view its next level of subfolders.
Permissions can be set for each parent folder/child subfolder by selecting the corresponding permissions row with the parent folder/child subfolder.
If permissions for a Child folder are Allowed, its parent folder permissions will become Allowed
If permissions for a Child folder are Denied, its parent folder permissions will NOT become Denied
If permissions for a Parent folder are Allowed, its children folder permission will become Allowed
If permissions for a Parent folder are Denied, its children folder permission will become Denied

Remove/add new Team members other than the Team Owner
Team Owner has the same abilities as team members, plus he/she can:

View ArticleWhat documents can I view in my browser?*
When documents are uploaded to CapLinked, they undergo a process that creates an image version of the document. This makes them viewable, interactive, and searchable on the CapLinked platform. The types of files that are viewable in the web browser are:
Adobe PDF
Microsoft Office
Word
Excel
Powerpoint
Images
TIFF
PNG
JPG
The web file viewer will display file types with the following extensions:
Microsoft Office: ".doc", ".docx", ".xls", ".xlsx", ".ppt", ".pptx"
Apache Open Office: ".ods", ".odt", ".odp"
Text formats: ".csv", ".rtf", ".txt"
Image formats: ".png", ".tif", ".tiff", ".pdf", ".jpg", ".jpeg"
Video formats: ".mp4"
I can't view a file in my browser. Why not?
When viewing files from the files page, either as an administrator or a workspace member, you may notice that some files are not viewable in your web browser. This situation could appear in one of two ways:
Still Processing:
The titles of files that are still processing are grayed out; hovering over them produces a tool-tip that reads "Processing (file not yet viewable in browser)." When this appears, there simply has not been sufficient time for the file to be processed by CapLinked. If this processing time exceeds 1 hour, contact [email protected] with the name of the workspace and file.
Not Viewable in the Browser:
The titles of files that are grayed out; hovering over them produces a tool-tip that reads "File not viewable in browser."
Check that the document is a file type that is viewable in the web viewer (see above).
Confirm the page count of your file. If your file exceeds 750 pages, it will not be viewable in the browser but can be viewed upon download.
Excel Files
If you are attempting to view an Excel file with a large number of rows/columns, your file may be translated as exceeding 750 pages. You can confirm this by opening the file in Excel and following these steps: File > Print > Pages: "All". The page count will be listed in parentheses.
Occasionally, there are Excel files that do not exceed 750 pages and are not viewable. There are several reasons this may be the case:
The Excel file is password protected (not with DRM, but with another set of offline credentials)
The Excel file cross-links or references another document
The Excel file contains active links
If an Excel file is not viewable in the browser, try the following and re-upload the document.
Open the document in Excel.
Select all of the rows and columns that contain data
Go to File > Print Area > Set Print Area
Go to File > Save As.
Select the file format "Excel Binary Workbook (.xlsb) and save to your computer.
Open the .xlsb version of the file in Excel
Go to File > Save As.
Select the file format Excel Workbook (.xlsx) and save to your computer.
Re-upload the document to CapLinked.
PDF Files
Occasionally, there are PDF files that are not viewable. There are several reasons this may be the case:
The PDF is password protected (not with DRM, but with another set of offline credentials)
The PDF cross-links or references another document.
The PDF has other files attached.
The PDF has document extensions, such as interactive form fields or digital signature fields.
The PDF contains active links
If a PDF file is not viewable in the browser, try the following and re-upload the document.
PC Users
Open the document in Adobe Acrobat Reader.
Go to File > Save As.
Select the file format "PDF/A" or "Adobe PDF Files" and save to your computer.
Re-upload the document to CapLinked
Mac Users
Open the document in Preview
Go to File > Export as PDF
Save file to your computer.
Re-upload the document to CapLinked
PowerPoint presentations converted to PDF
Occasionally, PowerPoint presentation that have been converted to PDF will not be compatible due to the size of the images in the presentation and formatting.
If a PowerPoint presentation which you converted to PDFis not viewable in the browser, try the following and re-upload the document.
Save each individual slide as a PNG file (.png)
Combine all PNG files into 1 PDF
Re-upload the document to CapLinked
*Note, files must be viewable in the browser for watermarking and/or DRM to be applied upon download.
View ArticleAdministrators of a workspace have the ability to add a description to any existing file for organizational purposes.
To add a description to a file:
1. Navigate to the Files page of your workspace
2. Choose the folder where the file is located
3. Check the box next to the title of the file
4. Select the "Edit" option under the file preview, displayed on the right side of the page
5. Input your description* in the text box and select the blue checkmark to save your changes.
The file description will be displayed when hovering over the "i" icon over a file name and in the top right corner of a file within the file viewer.
*There is a 200 character limit for the file description.
You may hide the file description badge or "i" icon from users by taking the following steps:
1. Navigate to your "Settings" page within the workspace
2. Check the box titled "Hide file versions and description badges from workspace members."
3. Click 'Save Workspace Settings' to save your changes
4. Please note that disabling description badges from users will also disable file version badges.
File descriptions will still be visible to non-admins from the file preview on the Files page and on the file viewer.
View ArticleWhat is DRM?
DRM, or digital rights management, is a feature that requires non-administrator workspace membersthat download a document to enter their CapLinked credentials before viewing a document. Please note that all file types will be converted to PDF upon download if DRM is applied. If your account does not have DRM activated but you would like it to, please speak with your CapLinked Account representative.
How to I manage DRM?
DRM is managed from the permissions page. When you select a membergroup, you will see the option to enable DRM on the right. You can enable DRM for that group, which means when those users download a document, it will be DRM-protected and they will have to enter their credentials in order to view it. You will have the option to revoke access to the document at any time, or to set a date at which access will be revoked. Important: if you revoke access, versions of the document that have already been downloaded will no longer be openable.
What will my workspace members experience with DRM activated?
Workspace members with DRM activated for their respective group will view the workspace inside of CapLinked normally. When they download a file or multiple files, a .zip folder will be created on their downloads page. The document will appear as normal PDF -- however, they will be prompted to enter their credentials before they view. The email and password they enter will be the same as those they enter when logging into CapLinked. If they enter the credentials correctly, they can open the document.
How is DRM working under the hood?
Once you create a permissions group and enable DRM for that group,a workspace member downloads a document, that document has a layer added that is eternally linked to that document. When they go to open the document, their computer will communicate with CapLinked servers. If their credentials and access levels match the ones on the stored on CapLinked for their respective permissions groups, they will be able to successfully open the document. If there is a discrepancy, eg. view or download permissions have changed, or access has been revoked, they will be unable to open the document.

Only administrators can view the existing members of a workspace and all of the information found in the Permissions page.
Non-administrators do not know the name of the Custom Group they belong to. All questions submitted and responses received in theQ&A module are only viewable between a single user and administrators.

In order to use your own email server, youll need to configure the email settings to send emails via SMTP (simple mail transfer protocol), which is an email standard that secures emails with SSL security protection.
To get started, go to your Dashboard on Caplinked> Select your Team on the left> Team Settings> Custom Email Server> Input the data in the required fields> Save Settings.
The following is a list of the email settings information you will need:
Smtp host (The address of the SMTP server that handles your emails.)
Smtp port (The port your SMTP server uses for outgoing emails.)
Smtp domain (The domain your SMTP server.)
Smtp authentication (The authentication type of your SMTP server, select Login only if needed.)
Smtp username
Smtp password
From address (Email address you want to use as the sender of CapLinked.)

Who can see my workspace?
By default, information in Workspaces on CapLinked is private and cannot be seen by the public. Only people who have been invited to view a Workspace can view documents and information.

How Do I Delete a Workspace?
Workspaces cannot be deleted by users. Please contact support regarding your request. Please note, you must be an administrator of a workspace to request a deletion.
Why doesnt my document look right in the fileviewer?
If a document does not render correctly when viewing it on the document page, it could be a formatting issue. Some options to address this include:
Change the file extension. Some file types do not render as well as others in the CapLinked viewer. For example, a file with the ".xls" extension will not look as true to form as ".xlsx" file type. If possible, re-save your file with the ".xlsx" file extension instead of ".xls" and either upload the new file or upload it as a new version of the same file.
Change the file content. If it is important to view a particular document in the viewer before it is potentially downloaded, it may be a good idea to re-format the content of the document itself. For example, if cells from an excel document are not rendering optimally in the viewer, consider adding borders to some cells to make associated rows and columns more clear.
Switch to fullscreen mode. If portions of your document are not viewing properly, click the fullscreen button at the top of the document page to view a larger version.

What types of files are compatible with CapLinked?
Admins can upload and download any file type except for:
Files with ".exe," extension
Hidden files (for example, files with the ".thumb" extension)
Files that start with a period "."
The web fileviewer will display file types with the following extensions:
Microsoft Office: ".doc", ".docx", ".xls", ".xlsx", ".ppt", ".pptx"
Apache Open Office: ".ods", ".odt", ".odp"
Text formats: ".csv", ".rtf", ".txt"
Image formats: ".png", ".tif", ".tiff", ".pdf", ".jpg", ".jpeg"
Video formats: ".mp4"
How do I reset my password?
To reset your password:
Go to Caplinked.com > Sign In > Forgot Password?
Enter your email in the required field > Reset Password.

Editing your team's watermark will cause all watermarks across all workspaces in that team to inherit your customization. These watermarks will apply to watermarks both in the web fileviewer and upon download. Note that only the Team Super-Admin can customize the team's watermark.
To customize your team's watermark, follow these steps:
1.Starting from the dashboard (click the home icon on the top-left), click to enter your Team on the left side of the page under "My Teams"
2. Click "Team Settings"
3. Click "Watermark Settings"
4. Make edits as desired to watermark characteristics such as Font size, Opacity (transparency), Rotation, Color, Vertical Position, Horizontal Position, and Watermark Elements. Selecting the "Workspace Name" watermark element will include the workspace's name associated with the watermarked file in question. "Custom Text" can include text,such as "CONFIDENTIAL."
Make additionaledits as necessary across the Top, Center, and Bottom watermarks, and click the green "Save Settings" button when finished.

Not Viewed
This page displays files that you have not yet viewed in the file viewer. Scroll down the page to load more files that have not been viewed. Click the title of the document to view it in the file viewer.
Not Downloaded
This page displays files that you have not yet downloaded. You can select all of the displayed files by selecting the checkbox next to Index. Click Download to download multiple documents.*Selecting Download All will engage a download from the entire workspace. You can download files from this view page by selecting the desired specific documents and selecting Download.
View ArticleAdministrators have the ability to restore files to a workspace that have previously been deleted.
1. Navigate to your Files on Caplinked
2. Click the Trash icon on the bottom left side of the page. You will see a list of files that have been deleted with the option to restore or permanently delete these documents.
3. Select the documents you would like to restore
4. Select the destination folder
5. Click the green Restore button
If you would prefer to permanently remove these files from the workspace, select Empty Trash.
View ArticleDraft Mode is an action that can be used by administrators to deny access to a workspace for all non-administrators. By default, all new workspaces are placed in Draft Mode for staging purposes. This allows administrators to organize folders, custom groups, and permission settings while suppressing invitations and notifications for users. All invitations are held until the workspace is published.
Placing a workspace in Draft Mode does the following:
Denies access to all non-administrators of the workspace. Only administrators will have access.
Suppresses all notifications including updates found on the Updates page, updates on the bell icon, updates on the Overview page panel, and all notification emails. Notifications of actions that occur while a workspace is in draft mode will not appear for users once the workspace is published.
Suppresses invitations to non-administrators. The invitations will be sent in one batch once the workspace is published.
Administrators can enter Draft Mode at any time by selecting 'Enter Draft Mode' on the top right corner of any page on Caplinked.
To publish a workspace that is in Draft Mode, select 'Publish' on the top right corner of any page on Caplinked.

To preview the files section as a non-admin in a CapLinked workspace, follow the steps below:
Log into the workspace
Navigate to the Permissions page
Select the Custom Group you would like to preview
Click the eyeball icon located next to the user's name to preview as the selected user
From here you will be able to preview the files page as the non-admin you have selected as seen below:
All folder functions will be disabled while in this feature such as uploading, deleting, moving files etc. This function allows an admin to verify they have set the proper permissions for users within the workspace. To revert back to your account, simply select the blue (Exit preview) in the banner above.
*Please note that in order to preview as a non-admin, the user must have accepted aninvite and be active within the workspace.

Do we process personal data of our customers?
Yes, we process customer personal data to provide CapLinked and for other specified purposes described in our Privacy Policy and Terms of Service.
Where do we send customer data?
Our goal is to provide our customers with secure, fast and reliable service. As a provider of a global service, we run our service with common operational practices and features across multiple jurisdictions. For example, we currently store data in data centers provided by Amazon Web Services (AWS) located in the US (see https://aws.amazon.com/security for information on their security practices). We disclose in our Privacy Policy that personal data will be transferred to the United States and possibly to other countries for purposes related to providing products and services.
Can you guarantee that my data will stay in a certain location (e.g., Europe)?
CapLinked features require that data be transferred to the US. In addition, our employees may need access to data stored in the EU from a non-EU country (e.g., United States) for technical and support related reasons. In all cases where data is transferred outside of the E.U., CapLinked commits to ensuring such transfers are compliant with applicable data transfer laws, including GDPR.

View ArticleCapLinked's Q&A feature can be used by both workspace administrators and members. Q&A gives members the ability to ask questions regarding specific documents.
There are two types of Q&A posts: Questionsand answers that only the original poster andworkspace administrators can see, and FAQs, which are visible to allworkspace members.
Asking a question (All Members):
To ask a question, open a document in the web viewer and scroll to the bottom of the page. Fill in the box and clickthe "Ask Question" Button.
Who can see it? Only you and the workspace administrator(s) can see the question.
Replying to questions (Admins only):
To reply to a question, navigate to the document itself, or to the Q&A tabfrom the navigation bar, and select "Pending" on the left. Under the question to which you'd like to reply, hit the "Reply" button and fill in your response.
Who can see it? Only you, other workspace administrator(s), and the original question-asker can see the response.
Posting toFAQ (Admins only):
To make a question and answer viewable to everyone in the workspace*, navigate to the Q&A tab, and then to "Pending", and then to the question itself. On the right hand side, click "Add to FAQ." From there, you will have the chance to modify the original question and answer before posting it as an FAQ.
Who can see it?All workspace members who have permission to view the document will be able to see corresponding questions and answers. Note also that the individualwho asked the question will be anonymized to non-admins in the FAQ.
Disabling Q&A for a Workspace:
The Q&A feature can be disabled by workspace administrators at any time. Disabling the Q&A feature will remove the Q&A module from the workspace and remove the "Ask a Question" button from the bottom of every document.
To disable Q&A, go to your Settings page in the workspace > Check the box that says "Disable Q&A feature on this workspace" > Save workspace settings.

To utilize the Bulk Uploader follow these steps:
1. Download the Bulk Uploader. You can find the Bulk Uploader here.
2. Once the bulk uploader begins installing, you will receive the following message:

You will then select "Run anyway" and proceed with your download.
3. Log into your CapLinked account and select the appropriate workspace.
4. Once you have selected the appropriate workspace, you will then select the destination folder for your upload. Please note you can upload an entire folder structure, including empty folders when using the Bulk Uploader.*
You can also upload multiple folders at a time by selecting "add another directory".
*When uploading empty folders, you can select the parent folder of the folder structure and then select "OK". You do not need to select all subfolders.
5. Once you have completed your upload, you will have the option to view the details of your upload on the "Upload Status" page in your workspace. You can select "View Details" to be directed to your workspace. If you would like to continue uploading additional files, you can select "Upload More Files".

1.Make sure you are using the appropriate application to open the document. CapLinked DRM-protected PDFs must be opened with the latest version of Adobe Reade r. If you are not using the latest version of Adobe Reader, you may encounter the following error message (or one very similar to it):
2.Make sure you are connected to the Internet. In order to communicate with CapLinked and Adobe servers to open the document, the user must be connected the internet.
3.Enter the correct email and password when prompted. The credentials (user email and password) entered to view the document mustmatch the credentials of the individual who downloaded the document. In order to maintain security, the only user email and password that can successfully open a DRM-protected document are those of the downloader's,even if the user who enters their credentials also has access to the document.
4.Make sure the settings for the DRM-protected document have not changed. If youraccess has been revoked and re-granted, or if the date of revoking has been altered, the individual who has already downloaded the document may not be able to open document. In this case, re-downloading the document will provide the user with a functional version. If you suspect that these changes have been made,re-download the document and try again. If you suspect that your access has been revoked, please contact your workspace administrator.
5.Ensure that your company's network can accessthe CapLinked DRM server. If your personal computer has trusted the appropriate domains, have the appropriate IT personnelwhitelist the following domains:

6.Makesure that you are not already signed into Adobe Readerwith a differing personal account.If you are signed in with an account other than your CapLinked account, then that account will need to be signed off first before the document will accept your DRM/ CapLinked credentials.

View ArticleBy default, non-admins can never see who exists in the workspace with them, even if they are a member of the same custom group. Non-admins can also never see the title of the custom group they are a member of. In some cases, admins need multiple custom groups with the same permissions for organization purposes. Admins can create a new group with the permissions of an existing group by following the steps below:
1. Log into your CapLinked workspace and navigate to the Permissions page.
2. Select "+New Group"
3. Enter the name of your new group
4. Select an existing custom group from the dropdown*
5. Select "Create Group"
*Note: This feature only duplicates the permission settings from the existing custom group. The members from the existing group will notbe copied to the new group.
View ArticleTwo-Factor Authentication adds an extra layer of security to your account. You will be required to enter a numerical code along with your username and password when signing into your account. To set up Two-Factor Authentication, follow the steps below:
1) Login to CapLinked at secure.caplinked.com
2) Select your name in the top right corner
3) Select Edit Settings
4) Select Two-Factor Auth
You will then be presented with the following page:
If you do not have a smartphone, you will select the Set up SMS option.
1) Enter your phone number.
2) You will receive an authentication code via text message. Enter the code on the provided page:
If you do have a smartphone, you will can select Set up App. You will then be prompted to download an authenticator app. We suggest downloading the Google Authenticator.
Once you have downloaded an app, you will scan the code provided on the following page:
After scanning the code, you will have successfully enabled Two-Factor Authentication for your smartphone. To retrieve your code, you can enter the app and your code will be listed:
Note: you will be required to enter a new code each time you log into your account.*

1. Log into your workspace and navigate to the Permissions page
2. Select the group which you would like to invite your user(s)
3. Select the user(s) you would like to invite
4. Enter the customized message you would like to use in the future
5. Select "Save Message"
6. When you send future invites, you will select "Apply Message" and choose from your saved messages to be inserted as your custom message.

You will have separate email templates for team invites and workspace invites
Your fellow team members and/or workspace admins will be able to see

View ArticleOnce you have uploaded a new document to your workspace, you can send anupdate immediately by selecting the "Notify Members" option at the top of the page.
Email Digest
Once you select this option, the update will be sent to workspace members via email and will include a link to the files you have just uploaded. The update will also be posted to the Updates page.
If you do not want to send an update immediately after uploading your document, you can send an update including the links at any time by following these steps:
1. Navigate to the Files page
2. Select "Upload Status"
3. Select the dropdown arrow next to the appropriate upload
4. Select "Notify Members"
There are three additional ways that users on CapLinked can find out about files uploaded to a workspace.
Recently updated files will appear in theActivity Feed, on the bottom-half of the dashboard.

To assign administrators to answer new questions from specific permission groups, follow the steps below:
Navigate to the Q&A page
Select "Assignments"
Select the "Group" dropdown menu and choose a custom group
Select the "Admin" dropdown and choose the admin which you would like to be notified when a member from the customgroup asks a question*
5. Select "Assign"
*Admins can be assigned to more than one group.Groups can have more than one admin assigned.
Notification behavior:
If a group is not assigned to an admin, all admins in the workspace will receive an email notification with the question
If a group is assigned to an admin, only the assignedadmin will receive an email notification with the question
If a group is assigned to more than one admin, ALL ASSIGNED admins will receive an email notification with the question
If an admin is not assigned to a specific group but would like to opt into receiving email notifications regarding a specific question, they can do so by following the stepsbelow:
Navigate to the Q&A page
Select the question which you would like to receive notifications
Mark the box titled "Notify me of replies"

View ArticleOnly team members can archive or unarchive a workspace. When you archive a workspace, the workspace will be placed in Draft Mode and removed from each members dashboard. Once archived, workspace members and administrators will not be able to view or access the workspace.
To archive a workspace, follow these steps:
Navigate to your dashboard by selecting the logo in the top left corner
Select your team name listed under My Teams
Select the gear icon next tothe desired workspace
Select "Archive"
You can unarchive a workspace by following the steps below:
Navigate to your dashboard by selecting the logo in the top left corner
Select your team name listed under My Teams
Select the gear icon next to your workspace
Select "Unarchive"
Once a workspace is unarchived, the workspace will remain in draft mode and will only be accessible by workspace administrators until it is published.
Before archiving your workspace, follow these steps to ensure you have all of the files from the workspace and the corresponding audit trail materials to accompany the workspace.
1. From the Files page, click the small triangle next to the Download button and select Download All. Your .zip folder may take a little while to process depending on the size of the workspace. Your workspace files can then be found in the My Downloads tab.
2. From the Files page, click the Index Report button. The index (in .csv format) of all files within the workspace will be downloaded. You can find the download in the My Downloads tab.
3. From the Activity Tracker tab, proceed to download each report. Starting with the Overviewsection, clickthe Download button, which will download the corresponding .csv report. No need to change any parameters- by default the reports will reflect activity through the entire existence of the workspace. Your download will appear in the My Downloads tab. Repeat the process for the following sections of the Activity Tracker:
Activity by Member
Activity by Date
Activity by Group
Files
File Security
Member Status
5. Remember, all of your downloads will be stored in My Downloads.

View ArticleExpiring Workspace Access will remove all folder permissions for the selected group only on the selected expiration date at midnight UTC.
To automatically expire workspace access for a group, follow these steps:
Log into your workspace and navigate to the Permissions page
Select the custom group which youd like to expire workspace access
On the right-hand side, select Expire Workspace Access
4.Once you have enabled the feature, you will then set an expiration date for the group
5. After you set your expiration date, select Save.
Note, once the groups expiration date is reached, all of the members will remain in the group and all of the folder permissions for that group (View, Download, Upload) will be disabled. All watermarking settings will be saved and if DRM is activated for this group, access to DRM documents will also be revoked.

When downloading documents from a workspace that has watermarking enabled, only PDF files will be downloaded with a watermark. The rest of the files (if any) will be downloaded normally.
A watermark on CapLinked has the following information:
Time/Date of viewing
The user's name
The IP address of the user
The email address of the user
How to enable watermarking for a permissions group:
Go the Permissions tab in your workspace.
Select the group for which you'd like to enable watermarking.
On the right-hand side, select "Enable Watermarking".

2. Create a group (e.g. Advisors, Buyers, Investors, Legal) and set the actions allowed (e.g. View, Download) and folder permissions. All memberswho areinvited to thisgroup will inherit those actions allowed for the files and folders they are granted accessto. 3. In this permissions group, click "Invite Members". You can add an existing contact or create a new ones. If you invite someone to the Admins group, they will be made an Admin of the workspace and will have full permission rights (can edit workspace, invite/remove members, add/remove files, etc.)
