The Rules implemented for archiving Projects and the associated elements in RFS, is like below : 1) First, look for the Station's AUTO-Archiving option is ON 2) Then will check for the Auto-Archiving Interval has set to a valid numerical value 3) Then, Search for all the Projects whose Requesting station is the station whose Auto-Archiving Interval has been set and the Project Status is COMPLETED and the Project Completion Date is greater than or equal to the Auto-Archiving Interval set. 4) Then, Archive all those Projects and Projects Elements associated. If a Project has moved from a Local Station to the HUB, then the Project will be archived according to the AUTO-Archiving settings of the local station from which the Project has been requested. Project and Project Elements get archived as per the number of days set-up and the AUTO-Archiving option turned on, in the Local Station's Preference page.

RFS allows files to be as large as 5 GB. And, RFS users are able to upload as many 5 GB files as necessary per project. Files larger than 5 GB will receive an error message and although the system MAY accept slightly larger files, do not rely on RFS to correctly store that file. In other words, please keep your file sizes below 5 GB to ensure that your file is properly stored.

Requesters
Are able to create NEW RFS Projects/Elements in the System. They are responsible for creating the new project/graphic requests in RFS.
whom can request a work in RFS. They can create Project and Elements associated with the Project and fills up some basic information with the Project Due Date and also can add some relevant information for the request in terms of
Project Attachments.
Project Manager/ Approver/ Fulfillment Manager
These set of Users can be able to review the Projects and Project Elements created by Requesters can assign the
Designer/ Fulfiller to the Project Elements or to the other users required to work simultaneously in the Project.
Project Managers can also be able review the Graphics end product designed/developed by Designer and can
approve or reject the same.
Designer/Fulfiller
These set of Users are generally the Graphic Artists who can review the Project Element assigned to themselves and
design and develop accordingly and send for the Approval to the Project Manager. RFS has the built-in facility for
uploading/viewing/downloading the Graphics Assets. Designers can upload a Hi-Resolution or Low-Resolution
assets.
Station Admin
These set of Users can be able to configure their local station according to their need. Station Admin can create
different Users/ Departments, assigning users to their respective departments. They can can also set the Default set
of User Roles and can set the Hourly rate for each users. Station Admin can run reports from various perspectives
such as Project Completion by Original Deadline, Project Manager/Designer Workload, Time Tracking etc.
HUB/Network Admin
These set of Users are the Admin for a each Tenant/Company. They have all the flexibility to configure RFS according
to their operation. HUB Admin can create Station and Station Users and relate stations to the HUB, can also create
the Project Types, Project Categories and Element types and these can be accessible across the whole tenant.
KSGAdmin
These set of Users are the Administrators of RFS. They can create/configure different Tenants. KSGAdmin also has
the flexibility to restore Archived/Delete projects for each tenant. KSGAdmin can configure the CDN settings for each
tenant.
Project Flow & Basic Functionalities In RFS
Projects in RFS are being flowed from different set of users. RFS is smart enough to track Project Flow from every
perspective.
STEP-1 : Requesters can add their Requests by creating a New RFS DRAFT Project and Elements for each task for
the Project and fills some of the required informations such as Project Title, Project Type, Project category etc. and
can add some files/documents that are needed for this Project and submit the project. Once the Project has been
submitted the Status of the Project has been set to NEW and all the Project Element Status has been set to NEW.
Submitting the Project, System sends out the Email Notification to the all the Project managers of the Requester's
Department.
Project Status : DRAFT NEW
Project Element Status : NEW NEW
STEP-2 : Anyone of the Project Manager upon receiving the Email Notification about the New RFS Project, logs on to
the RFS and review the Project and Project Elements. Project manager can also able to add additional Project
Elements to the Project and may add some attachments to the Project and assign the Project to himself/herself or
can to any other Project manager of the Current Station. If the Project Manager feels that the Project should moved
to the HUB/Primary Station, He/She can move the Project to the HUB. Once the Project has been assigned to any of
the Project Manager the Status of the Project has been changed to NEW and all the Project Element Status has
been set to NEW. Assigning the Project to the Project Manager and to the HUB, System sends out the Email
Notification about the Project Assignment to the assigned Project Manager.
Project Status : NEW NEW
Project Element Status : NEW NEW
STEP-3 : Upon receiving the Email Notification regarding the Project Assignment, the Project Manager logs in to the
RFS and review the assigned Project. The assigned Project Manager then assign Each Project Elements of the Project
to Designers of the current station. If all the Project Elements has been assigned to Designers, then the Status of the
Project has been changed to ACTIVE otherwise, it will be as it was NEW and all the Project Element Status will be
set to NEW. Assigning the Project Elements to the Designers, System sends out the Email Notification about the
Element assignment to the assigned Designers.
Project Status : NEW NEW/ ACTIVE (If all the Project Elements has been assigned to Designers)
Project Element Status : NEW NEW
STEP-4 : Upon receiving the Email Notification regarding the Project Element Assignment, Designer logs in to the RFS
and review the assigned Project Element. Then, the Designer can design/develop the Graphics assets according to
the need and Upload the Finished element to the RFS and Submits the Project Element for the approval. After the
Designer Submits the Project Element, the status of the Project Element changed to PENDING APPROVAL.
Submitting the Project Element the System sends out the Email Notification regarding the Approval to the Assigned
Project Manager of the Project.
Project Status : ACTIVE NEW/ ACTIVE (If all the Project Elements has been assigned to Designers)
Project Element Status : NEW PENDING APPROVAL
STEP-5 : Upon receiving the Email Notification regarding the Element Approval, The Project Manager logs in to the
RFS and start reviewing the Project Element. If the Project Manager satisfied with the finished element, then He/She
can Approve the Project Element or Reject the Project Element. If the Project Manager approves the Project
Element, the status of the Project Element changed to APPROVED, if rejected the Status will be again changed toe
NEW. If all the Project Element associated with the Project Element is APPROVED, then the Project status has been
changed to COMPLETE. Approving the Project Element and Completing the Projects, the System sends out the
Email Notification to all the related users of the Project.
Project Status : ACTIVE COMPLETE (If all the Project Elements has been APPROVED)
Project Element Status : PENDING APPROVAL APPROVED/NEW (If Project Element approved by the Project
Manager)
PROJECT ON HOLD : In the basic Project flow, The Project Manager can put project on hold for specific period of
time. If a Project has been put on hold, not any action can be applied to that project. Putting Project on Hold the
Status of the Project Changed to ON HOLD and again after resuming the Project the Status will be again be as it
was previously when put on hold.
PROJECT DELETE : Draft projects can be deleted only by the requesters who created the project. Once the Project
has been submitted and changed the status to NEW, they can not be deleted by any ordinary users. All the Station
Admin can delete any Project those are being requested by their station. HUB Users can delete any Projects across
tenant. All the Deleted Projects are never deleted from the database permanently. KSGAdmin can able to browse
though the all the deleted Projects for a tenant and can restore back to the tenant. NOTE : Deleting Draft Projects,
will also delete the project from the database.
PROJECT ARCHIVING : Station Admin has the option to set the Corn Job which will be fired at 3.00 AM everyday,
which will be look for all the completed projects and if the Completed Projects are older than the interval set by the
Station Admin, then the Completed Projects are being archived by the System. KSGAdmin can able to browse though
the all the archived Projects for a tenant and can restore back to the tenant.
NOTE : All the Deleted and Archived Projects are never being shown up in any Project Flow and Project searches etc.
MESSAGING : RFS can be used for communicating with the users related to a specific Project/Project Element. In
RFS, Users can send Messages to the Users associated with a project and project element. Once the Message has
been read, the Recipient name will be colored to green and displayed with the time when the user has read the
message. RFS also has the functionality to respond a specific message. This will mimic our, Reply To functionality in
general Email Clients.
View ArticleThe delete project function in RFS is ONLY available to RFS Station Admins. Be VERY careful when using the delete function. Delete literally delete's the Project and related Tasks for that project from RFS. When activated, an email is automatically sent to all Station Admins and other users involved in that project alerting them to WHO deleting the Project and what time/date it was deleted.
KSG has created a feature where WE can manually restore deleted projects, but BEWARE that this is a manual process and you will be billed for any time it takes for KSG to restore any deleted projects. USE THIS FUNCTION CAREFULLY and CONSCIOUSLY.
View ArticleThe signed-in RFS User must be a "Network Admin" which is different from a "Station Admin". Network Admins have access to a level of features that can add new stations to RFS, update Project and Element Types and Categories and have expanded report functionalities.
At the Hub, the FTSAdmin User has access to delete all projects for both local and Hub Projects.
Only NETWORK ADMINS can delete Projects. A NETWORK ADMIN has a different set of privileges than Station Admins.
Once you have requested RFS to delete a Project, RFS will also delete the Associated Tasks.
NETWORK ADMINS are the Super-Users in RFS who can create/add more stations, update Project Types and Element Types, etc...

OVERVIEW:
Kenwood Solutions Group's Request Fulfillment System (RFS) is a project workflow system. RFS manages the data related to the fulfillment of projects including tracking of requestors, designers, project managers, due dates, assets and their approvals.
RFS is available on the web, mobile and tablet devices. RFS for the web contains the full functional set of the RFS application, while the mobile and tablet devices have a limited feature set.
There are four important roles in RFS and they are responsible for the Projects work progress.
RFS Key User Roles:
REQUESTORS:
Requestors start and the RFS process by creating and defining the overall project requirements including the creation of each specific element required to be fulfilled by the Designer for the final deliverables that complete the project.
NOTE: REQUIRED fields have a yellow background with "Required*" in the field. If required fields do not contain data/information, the Project cannot be "submitted" in RFS and will remain in DRAFT mode.
Project Detail Entry Screen
PROJECT MANAGERS:
They the Project Manager to a project and manages theproject further and the selected Project Manager will assign the Elements to theDesignerand they alsoapproveor declinesthe asset submitted by the Designer for a particular Element.
DESIGNERS:
Complete thework to fulfill the requirementsof the Project (as submitted by the Requestor) andits elements and uploaded the documents for the same to seek approval from the ProjectManager, if a project manager declines the assets submitted by the Designer thenthe Project Manager can reassign the elements to the designer and again the designer has toreworkon the same and upload it, this cycle runs until the Project Manager approves thedocument uploaded by the Designer.
STATION ADMIN:
Create or add usersand also set the default project roles and departments which are used inRFSProjects/Requests throughout the workflow.
Other Key Roles:
Network Admin: - Admins of a Primary Hub (Fox Hub)and for one tenant there can beonly one Primary Hub with one Network Admin.
Sub-Station Admin: - The secondary stations or "spoke" stations related to the Primary Hub (Fox Hub), there can bemultiple sub-stations.
KSG Admin: - Is responsible for creating new Tenant accounts and overall management of RFS.
RFS Project WorkflowCreating a new project and roles played by the different Users:
Requestor creates a New Project:
The status of the Project will be set toDRAFTwhen the Requestor clicks onthe New Project tab.
Fill the mandatory fields and then save the details
The systemwill navigate to the Elements details page. Toadd a New Element again fill its details and saved the same.
Now requestor will Submit the project.
Project status will change to NEW.
They are allowed to Duplicate the Projects and their elements.
Can Edit details of the projects and its elements(till the project is in Active status).
They are allowed to upload and download multiple Attachments in all the statuses except Closed/ On_hold/ Complete.
Can sendMessage throughproject and elements for all the statuses except Closed/On_hold/ Complete.
Task Notification:No task notification can be seen for this user.
Note:- Once the Project Manager is assigned to a Project then they are also allowed to addan element for a Projectbut they can only duplicate the Elements.
Change of Due date in bulk for projects having large elements,can be done by the Requestor.
Reports will allow to generate a report according to theProject list count.
Assigning Project Manager for a Project:-
They will assign the Projects to the Project Manager or they can also assignprojects to themselves.
After that they will assign project's elements to the Designer and the status of the projectwill changes to ACTIVE.
Respective Project Manager will assign Projects to the respective Designers of the samestation.
They can also Approves or Declines the assets uploaded by the Designer, if they findthe asset not suitable.
When declined,designers needs to reworkfor that elements
The cycle continues until the project gets approved by the Project Manager.
Project Manager also provide the Project Roles to the Users of the Station for a particular project.
Once the Project Manager is assigned to the project, they can also Add an element to theproject, Duplicate the Element and Edit the project and Element details
Project Manager can change the Fulfilling Station to Primary hub, of the project belongs toSubstation.
They can Hold and Resume the project.
Bulk Approve/ Decline/ Assign Designer/ Change of Due date is can be done by the projectmanager.
They are allowed to upload Attachments in all the statuses except Closed/ On_hold/Complete.
Can send Message through project and elements for all the statuses except Closed/On_hold/ Complete.
Task Notification:- At the top of the page, New Station Projects, New Projects andPending Approvals notification countscan be seen.
Reports will allow to generate report according to theProject list count.
Asset uploaded/submitted by the Designer for a Project:-
Designer will review the assigned Projects and its elements.
They work according to the projects and elements assigned to them and then they preparea sample as an Asset with reference to the Elements and upload andSubmit the same in the Asset to seek approval from the Project Manager.
Once they submit the document, the status of the elements changes to PENDINGAPPROVAL from NEW.
If the documents get Declined by the Project Manager then that element gets re-assignedto the Designer for rework and status of the element changes back to the New.
But when the document gets Approved by the Project Manager then the status of theProject changes to COMPLETE and Elements status changes to APPROVED.
Hence the Project gets completed.
Asset Player- User can play the asset, delete the asset before submitting it, Download theasset and can also Compare the multiple uploaded asset for 1 element.
Multiple Uploading- One can upload asset for multiple elements at the same time for 1project.
Can send Message through project and elements once they get assigned to the project andelements, only for the Active projects
Task Notification:- At the top of the page New Elements notification can be seen.
Reports will allow to generate report according to theProject list count and Element list count.
Role played by the Station Admin:-
It handles the adding/editing/active-inactive of a User. Also can send the password to the selected User on their saved Email Id by clicking on Email Password.
It handles the adding/editing/deleting of a department.
It allows to generate Reports for the Stations.
--- Delivery Report:- This will show the reports, for Elementsthat have been markedas "Delivered" by RFS Admins usersand then email the report to the users added to theDelivery Report Email List.
--- DAP:- This will give a report either in PDF or in Excel, for the Designer's Active Project list.
It sets some specific task for that station, in SETTINGS.
--- Default Project Roles: - It sets the users with specific role which will be shown for theprojects by default when projects get created, for that station. Meanwhile Project manager hasthe authority to change the default project roles for the Project.
--- Users Positions: - It adds/delete/edit the users position name and provide their hourlyrate.
---Preferences:- This will automatically archived the completed projects according to the number ofdays is saved to it. It will also archived instantly when we click on RUN NOW and one can stop thearchive by clicking on the Stop icon.
---Station LOGO:- logo can be uploaded station wise.
Role played by the Network Admin for a Project:-
Network Admin performs according to the roles assigned to them, by default it has all theroles assigned.
Likewise other roles it works the same but the only difference is that it has some extrafeatures as compare to the other Sub-Stations, like Network Admin, StatusBoard, DAP Report and RFS Support, Deliver Report, Hub Alert
---Hub Alert- Alert can be sendfrom the Primary hub onlyto different station and their Users.
---Network Admin:- The Admin is the only one who has the authority to create a Sub-stations and in addition to that they can also create multiple users for each sub-stationassigning different roles to the different users. There is a step to create Primary hub in KSG Admin.
Steps to Create:
Login in KSG as an Admin user

Click on +Add Tenant tab
Enter mandatory fields

Login into RFS as a Network Admin (using the credentials created in Tenant details)

---Slack:- Channels added in the Slack account can be seen in this section. Click on edit tabwill active the token, one can add a new token and then click on Authentic, after verifying itone can click on either on checkboxes of the channels or simply click on Select all tab andatlast click on SAVE tab.
Note:- If Active will be unchecked then the slacks channelswill not be seen in the Message Details andif it is checked then the selected channels can be seen in the message details.
Status Board:- Projects are moved to Closed projects and can change back to Open, thiscan only be done by the Network Admin, other users can only view the Status Board.
--My Network: Projects related to the Tenant, user has to click on the x sign to movethat project to the Closed Projects.
--My Hub: Projects related to that primary hub only, the user has to click on the x sign tomove that project to the Closed Projects.
--Project Statistics: The pie chart is divided into the percentage of the Active, New,Complete and Drafts projects and also by the Due Date of the Projects.
--Element Statistics: The pie chart is divided into the percentage of the New, Approved, pending Approval and Closedelements and also by the Due Date of the Elements.
--Closed Projects: Those Projects which are moved to Closed Project will be visible in thissection and user can open those projects by clicking on the open icon and will removeit from the list.
--DAP Report:- The overall number of Elements assigned to the respective Designers of the Primary hub, number of pending approvals and number of new elements is shown in thisreport. It can only be seen by the Network Admin and its users, in primary hub.
Delivery:- This tab is shown to all users but can only accessible for primary hub's users.
--- Element Delivery Tracking List: Clicking on Deliverytab, opens a pop-up in which user deliver the selected elements to the selected stations by clicking on Commit. Date is compulsory to add for the report generation of the delivered elements and user can also add a note ( if required).
Delivery Report:-Report generate according to the selected pattern like, Summary, Log by Element and Log by Station. In this report the details of the delivered elements can be seen.
KSGAdmin
This is the first step of the application where a different tenant gets created by the Admin Users (KSG Admin), KSG Admin are those who are responsible for creating a Tenantand within that tenant Network Admin of the primary hub gets created., For example, FOXis a Tenant which is added by a KSG Admin and while adding it provides Primary Stationname i.e.,FTSAdmin along with Username and Password, which will be used to login intoRFS, the user who will use this credentials to login would be the Network Admin of primaryHub-FTSAdmin for the Tenant-FOX.

Settings:-
-- Project Settings Add/ Edit/ Delete of Project type, Category and Element type which willbe common to all the Tenants get created but this can be used by the Tenant only if thechecked the check box of Copy default Values in the Tenant Details for a particulartenant.
--TimeZone Settings In this different zones time can be set, user can move timezonefrom Available TimeZones list to Selected TimeZones (vice-versa) and from Selected TimeZoneslist onetimezone will be set as a Default time zone which will be common for all the tenants.
Note:- Available/Selected TimeZone can be modified as per the Tenants requirements, finalselected time Zone will be seen in the Primary Hub and there only Default TimeZone can bechanged.
Admin User:-They are the ones who are responsible for adding/editing/active-inactive of theTenants and other settings like project settings and Time zone settings are done by Admin users, even the adding/editing/active-inactive of the admin user is done by Admin users only.
They have been given a Username and Password to login into KSG. If the admin user got inactivethen that user will be shown in different colour in the Admin Users list i.e., Pink colour for Inactive users and Green for active users.
Tenants:-The place where multiple tenants gets created and given authority to login into RFS byproviding Username and Password for the respective Tenants.
--Tenant Details-The list of tenants is shown with the respective details of it. Admin Users doadd/edit/active-inactive of the Tenant.
*Preferences:-
1. Auto Archive of the completed projects tenant wise, can be enabled or disabled.
2. Email notification will be received by the recipients if RFS messages is sent.
3. Expiration time of the Asset link is can be set from here, for the Tenant.
4.Maximum number of Saved Searches can be set.
--System Settings: - Add/ Edit/ Delete of Project type, Category and Element type. Also theActive and Inactive of the Element type. Following are the scenarios for the Element typesmodification when it is active-inactive, they are.;

--Archived Projects: - Those projects which are at Complete status in RFS got archived and saved inArchived projects. They can be restored from KSGAdmin to the Tenant.

Miscellaneous Features of RFS Application, common to all users:-
Searches: - User can search for Messages, Projects and Elements as per their requirements. Itwill be visible to all type of the users.
Note:-Last searched items will be display, every time we click either on Project/ Element/Message search.
-- Project Search: User can search the project by entering some information related to the project and then it will filter all the projects according to the searched item and then will display the list of Projects.
--Element Search:User can search the elements by entering some information related tothat elements and then it will filter all the elements according to the searched item and then will display the list of elements.
Note:- It allow to search for the multiple element types in one search.
--Message Search:User can search the messages by entering some information related to that messages and then it will filter all the messages according to the searched item and then will display the list of messages.
--Saved Searches:After searching either for project/element/message user can name thatsearch and can save it so that it can be use when needed without entering the details. It can be used by any type of user but saved searches will be shown to the user only who saved it. User can delete the search if not required. It can directly be use from the project/element/message search.
Dashboard:
--Upload icon:- This will show the numbers when the asset is uploading by the Designer.
--Alert icon:- This will show the number of alert messages sent by the Network Admin, to the other users. Click on Mark as Readwill decrease the numbers.
--Message icon:- This will show the number of the unread messages of the users.
--Apply Filter:-This will display the list of projects according to the filter selected. The selected filter can be set as Default.
Projects:- This will show the list of the projects according to the selected filter for the respective category (My Projects/ My Station/ All Stations).
Omit Complete will remove the complete projects from the list and Show Completewill show back the complete projects.
Elements :- This will show the list of the elements according to the selected filter for the respective category (My Elements/ My Station/ All Stations/Approvals). It has a link of the asset in the Element titlewhich opens a pop-up of the asset player.
Note:-Approvals, the element list of pending approvals can only be seen by the respective project managers assigned to that project.
--Copy link:This will ask for link expiration time or days and then will allow to generate link for the asset.
--Omit Approved will remove the approved elements from the list and Show Approved will show back the approved elements.
--Export Elementswill download an excel file having the elements list which will be currently displayed on the screen.
Attachments:- This will show the list of the attachments with the link in the file name.
Messages:- This will show the list of All Incoming/ Unread Incoming / Sent/ Draftmessages as per the logged in User. User can reply to the message by clicking on the Respond tab.
Users Profile:- This will show the details of the Logged in user and can user can also edit the details but only the selected ones and the rest will be disabled.
*User needs to click on the users name at the top of the page.
Note:-Changes made in the Logged users for Username, Password and User roles, will automatically logged out the user from their account.
--Message Notification Preferences:-User will get a notification in a saved email Id whenever any tasks takes place from the checked scenarios. According to the logged in user email preferences is shown.,
*Requestor- Element Approval and Element Deletion.
*Project Manager- Project Submission, Element Approval, project Assignment, Project De- Assignment, Submitted Element and Element Deletion.
*Designer- Element Assignment, Element De- Assignment and Element Deletion.

Hi Nicole,
I deleted 8038 per your request. Here is the rules around deleting projects. The signed-in RFS User must be a "Network Admin" which is different from a "Station Admin". Network Admins have access to a level of features that can add new stations to RFS, update Project and Element Types and Categories and have expanded report functionalities.
At the Hub, the FTSAdmin User has access to delete all projects for both local and Hub Projects.
