Frequently Asked Questions About Maxus

  • Below is a listing of programs that you will be using daily.

    Web browsers

    Internet Explorer - Internet Explorer is the only fully support web browser for Onesite leasing and rents. Other web browsers (Chrome, Mozilla, Safari, etc) have limited functionality and should not be used.

    Google Chrome - Google Chrome is the recommended web browser for all websites that do not require Internet Explorer.

    File Management

    Drive File Stream - Used to access documents saved in the Google Cloud on a local computer in native programs such as Word, Excel, and Adobe.

    CaptureOnTouch - The default document scanner program that allows for documents to be saved to a local computer or attached directly to email.

    Word / Google Docs and Excel / Google Sheets - Used for basic document creation. Google Sheets and Docs are recommended for documents where collaboration is necessary.

    Adobe Acrobat - Used for viewing and electronically signing PDFs.

    Password Management

    KeePassXC - Password management program that allows for the database to be saved in Drive File Stream for backups. Best password practices include using different passwords for all accounts, including numbers and special characters, avoiding dictionary words, never writing password on paper, avoid changing passwords, and use 2FA when available.

    Installation

    Desktop (wired)

    Remove the ethernet cable from the workstation and connect it to the LAN port on the back of the phone.

    Use the ethernet cable that came with the new phone to connect the workstation to the PC port on the back of the phone.

    Connect the power cable on the back of the phone to a nearby power outlet

    Cordless (wireless)

    Connect the wireless base station to the leasing office network, typically an open port on the SonicWall X3-X6.

    Connect the cordless phone cradles to a nearby power outlet.

    General phone functions

    How to dial out

    To place a call enter the 10 digit phone number starting with the Country code (1-816-303-4500) then pickup the handset and press dial.

    The IT department is currently updating phones to allow 7 digit dialing for local phone numbers

    Phone Extensions

    Phone extensions follow this pattern - 7 + [property code] + 1,2,3,4...9

    1 is the manager line, 2 is the assistant, 3 is the leasing, and 9 is the maintenance

    Contact the IT department if you need to know your property code

    Desktop phone functions

    How to put a call on hold

    To place a call on hold press the hold (pause) key on the desktop phone. To resume the call press the hold (pause) button again for press your line on the LCD screen.

    How to transfer a call

    To transfer a call press the transfer key on the desktop phone or the transfer button on the screen and select Blind Transfer then dial the new number or extension

    How to conference a call

    To conference in another number press the Conference button on the phone (above the speakerphone button) then enter in the new number and press dial to start the call

    Press ConfCall to start the conference call or press NewCall to add another number to the conference call (max 5 numbers)

    To kick a number from the conference call press the Kick button on the phone

    How to park a call (place on hold)

    To park a call press the transfer button then enter *44[property code] then press AttnTransfer then Transfer after you are told the parking lot number

    The parking system will tell you what parking spot the call is placed in, this is used to retrieve the call.

    To retrieve a call dial *45[property code] then press dial and enter the parking lot number then press #.

    How to enable call forwarding

    To enable call forwarding press the ForwardAll button on the phone then enter in the number calls will be forwarded to

    To cancel call forwarding press the CancelFwd button on the phone

    How to add contacts

    To add a contact select the contact book to the left of the arrow keys on the phone then select Local Phonebook then select New. Use the number pad and arrow keys to fill in the name and phone number then select save (the full 11 digit phone number is required).

    To dial a contact select the Contact Book > Local Phonebook then use the arrow keys to select the contact and select dial.

    Cordless phone functions

    How to put a call on hold

    To put a call on hold select Options > Hold > Select. To resume the call press the Resume button.

    How to transfer a call

    To transfer a call select Options > Transfer then enter in the phone number or extension and select transfer or dial

    How to conference a call

    To conference in another number select Options > Conference then enter in the new number and press dial to start the call

    The DP720 cordless phones have limited features and can only connect 3 numbers in a conference call

    How to park a call (place on hold)

    To park a call select Options > Transfer then enter in the parking lot star code.

    The DP720 cordless phones have limited functionality compared to the desktop phones. To retrieve the parked cal enter in the parking lot retrieval star code and press * for a listing of parked calls.

    How to enable call forwarding

    To enable call forwarding go to Menu > Call Settings > Call Forward and select the extension to edit the call forward number.

    How to add contacts

    To add a shared contact select Shared > Options > New Contact. Use the number pad and arrow keys to fill in the name and phone number then select save (the 7 digit or 11 digit phone number can be entered).

    To dial a contact select Share then use the arrow keys to go over the contact then select the green dial key.

    Voicemail

    How to setup voicemail

    Contact the Maxus IT department to get local voicemail box setup for missed calls during business hours or after hours.

    An email will be sent out with further instructions on how to setup the voicemail box for the property

    Check voicemail

    Voicemail can be checked on any GrandStream phone by entering the properties mailbox number and PIN.

    Office hours

    Contact the Maxus IT department to change the office hours for incoming calls.

    Common Issues

    The phones cannot receive calls but can dial out

    Make sure call forwarding is disabled. For DP720 cordless phones go to Menu > Call Settings > Call Forward and select the extension to edit. For GXP2135 desktop phones go to press the ForwardAll key on the LCD screen or go to Menu > Phone Settings > Call Features > Account 1 and edit the call forward number.

    Make sure Do Not Disturb is disabled. For DP720 cordless phones go to Menu > Call Settings > Do Not Disturb. For GXP2135 desktop phones go to Menu > Preference > Do Not Disturb

    The phones are not ringing

    Make sure the ring volume is maxed out. For DP720 cordless phones go to Menu > Settings > Audio > Ringtone volume. For GXP2135 desktop phones press the volume up key located in the lower right hand corner of the phone.

    As a final setup reboot the desktop phone, cordless phone, and cordless base station

    The phones have no dial tone

    Grandstream phones functions like a cell phone and dial tone is not necessary for making or receiving calls
