  • Follow the steps below to install andaccess Google Drive File Stream on a Windows machine:

    Installation

    Open Google Drive in a web browser at https://drive.google.com and select "Get Drive File Stream for Windows" under Settings. Use work or school files on your computer with Drive File Stream

    Select the "Download for Windows" blue button.

    TheDriveFileStream.exeis now in Downloads and can be used to install File Stream. Execute (Open) the file.

    Select your Viewpoint account from the Chrome user list OR sign in to Google Drive. OR

    Allow Drive File Stream to use the information listed by pressing "Allow" at the bottom.

    The process should take a couple of minutes, and you have successfully installed Google Drive File Stream.

    Access

    You can access File Stream from the Taskbar or inside the Windows File Explorer.

  • UPDATE 12/3/2019: We are continuing to monitor the network at this time. We are currently not aware of any problems with connectivity in any parts of campus. If you or your students are having any issues, please open a ticket at https://helpdesk.viewpoint.org.

    UPDATE 11/23/2019: We have initiated a reboot of all Meraki switches and wireless access points in our environment after learning that this may clear up the issue. We will continue to monitor the network over the coming weeks and make further adjustments as necessary until this issue is eradicated.

    Viewpoint IT has become aware of an issue potentially affecting all Wi-Fi access across Viewpoint's campus. The issue is so new that Cisco Meraki does not have an official bug report yet. We do however know that it's currently affectingroughly 10-20% of the 172 access points on campus.

    What we are observing is that some access points stop broadcasting a Wi-Fi signal in the 5GHz frequency. Most modern devices prefer this frequency, as compared to the old 2.4GHz frequency that often conflicts with legacy equipment such as wireless mice/keyboards, microwave ovens, etc. This causes the 2.4GHz band to become congested to the point of being unusable. (Imagine Interstate 405 down to 1 lane during Friday evening rush hour... you get the idea.)

    We have pushed a software update to a few select access points across campus for immediate testing. If we find the update indeed resolves the issue, we will likely push the update to the entire campus sometime next week. In the meantime, should you notice any unusual behavior or are still experiencing Wi-Fi problems in your classroom, please let us know.

  • In the coming weeks, the IT department will begin work on a data migration project from aging, on-premise servers to cloud-based online storage. As a part of this migration, we will be relocating many of our schools mapped drives (network shares) to Google Education shared drives (previously called Google Team drives). Were aiming to complete roughly half of these share migrations by the end of the 2019-2020 academic year.

    WHY?

    The driving force behind this project is the need to simplify how we get to our data and modernize the technology used for storing it. Google offers educational customers UNLIMITED storage for free. Not only will this be a tremendous cost savings to the school, it will greatly enhance our ability to share and collaborate as a community.

    In addition, many users need the ability to take files with them and edit while offline. Windows Offline Folders technology is being phased out while macOS does not have this ability. Citrix virtual desktops were another way to get to your data, but this solution requires a tremendous amount of effort to keep it running and will be slowly phased out.

    After the transition, you can take your files with you and make edits even when offline. All changes will be automatically synced to your Google drives when your computer regains network connectivity. Your data becomes much more mobile, as you can easily access your personal and shared Google drives through the Google Drive app on your smartphone or tablet.

    WHEN?

    Over the coming weeks, we will begin reaching out to department and division heads to discuss the changes and put together a plan for each departments specific file shares. Depending on the amount of data, some migrations will require a full weekend, while other drives could be migrated after hours during the week. Once weve completed a migration, we will send out a notification that the data was migrated. In addition, we will temporarily leave the share open with a single text document that explains the name of the Team Drive where everything was moved to.

    OTHER CONCERNS

    DONT WORRY. This change will not affect your current workflow. You can continue to create and edit files as you always have. The old method in Windows was to map a drive letter in my Computer (i.e. F: drive). In macOS, we would accomplish the same through using a Network Location alias.

    In 2017 Google released Drive File Stream, which lets you access your Google Drive and shared drives directly through Explorer (Windows) or Finder (macOS). You can also easily create shortcuts to Google folders and files on your desktop for quick access. Be advised that shortcuts to files or folders on legacy file shares will no longer work after a migration is completed; unfortunately you will need to delete and re-create the shortcut based on it's new location in Google.

    Do I need to start using Google Docs and Sheets for everything?

    NO. You can continue to use Microsoft Office as your productivity applications.

    Will my files be converted to Google formats automatically?

    NO. Files are not converted in any way as part of this process. We are simply changing the location for where these files live. Once data is moved to Google, you can access it from anywhere youre online.

    Do I have to open a webpage now everytime I want to see my files?

    NO. Both personal Google drives and Shared Drives are accessible through macOS Finder or Windows Explorer. We will create documentation on how to configure this functionality in case you currently do not have it. You can always access your files through https://drive.google.com as well.

    The software that makes this possible is called Drive File Stream." We will be sending out more information specifically about this software in the coming weeks. Once it's installed and configured, youll see My Drive (your personal drive, only you can access) and Shared drives (all the Shared Drives you currently have access to).

    How do I request a shared drive?

    Shared Drives (Team Drives) are created by the IT department to ensure that the correct settings and naming conventions are followed. Once created, we assign the Manager role for that drive to someone within the group, usually the manager or someone in a leading role. The manager will be trained on how to modify permissions for the group so that future add/remove requests can be handled directly by the manager without needing IT's involvement.

    I don't trust Google. How is my data protected?

    All Viewpoint-issued accounts are created on the G Suite for Education platform.   • We are excited to be able to provide Adobe Creative Cloud accounts to all Viewpoint employees, as well as Middle & Upper School students. Instead of pre-loading the Adobe software and license on your computer, you now sign-in using your Viewpoint login credentials and then choose the software you would like installed. You may run the installation on up to 10 personal devices but you are allowed only two simultaneous sessions at a time.

    Primary Installation Method: Using Adobe.com

    Go to adobe.com

    Click on Sign In in the upper-right corner of the page. http://ccmdl.adobe.com/AdobeProducts/KCCC/CCD/4_9/osx10/ACCCx4_9_0_504.dmg IMPORTANT NOTE: unlikely many other platforms, do not use the "Continue with Google" option at sign in for this procedure. You must sign-in using the exact instructions below for your device to be properly activated.

    Enter your full Viewpoint School email address.

    If prompted with Choose an account for select Enterprise ID

    Once redirected, enter your password.

    Once logged in, select Desktop Downloads.

    Click on Download next to any of the Apps youd like to install and follow the instructions.

    Alternate Installation Method: Using the Creative Cloud Desktop App

  • Before you begin:

    The steps outlined below should only take a few minutes to initiate. However the update process can take up to an hour, depending on the number of Adobe apps you have installed.We recommend that you initiate these steps with your computer connected to a charger. Your computer must remain on the Viewpoint network during the installation.

    If you have trouble or get error messages during or after the installation, please put in a support ticket at helpdesk.viewpoint.org or by emailing [email protected]. Please include the step that are getting stuck on or any specific error messages you are receiving.

    On Windows:

    On the desktop, open the Self Service shortcut.Select the folder inside called "Software" and double-click on Adobe Fix. (NOTE: If youdon'tsee the Self Service shortcut, sign out and sign back into your computer.)

    Proceed through the installation steps. You should see a message with "Installation successful."

    Once finished launch the Adobe Creative Cloud Desktop Application.

    Once the install is done the App will open. Enter your Viewpoint email address.You will see a popup where you can enter your password.Enter your Viewpoint password and press "Sign In."

    When prompted with Choose an account for select Enterprise ID

    If you see a prompt "Stay signed in?" select the checkbox "Don't show this again" and press "Yes."
