View ArticleSince the release of new email templates, you may have experienced issues when sending emails and HTML or code showing in the messagebody.
Why is this happening:
Wiredrive's new email templates work off of rich text edits. Which means all styling and design are based on rich text CSS and HTMLrequest. If you are typing in the content for the message body this will not be an issue.
If you are Copying + Pasting text from another richtext application like word, powerpoint, note software's, browsers. Youare not copying just the text but any hidden or visible styling code linked to that content.
This causes styling code to be pasted on top of Wiredrive's styling code.
Solutions:
There are two ways to fix this. When you paste from another application it's best that it's from a plain text application like Notepad (Windows) or text editor (Mac) so that any styling is stripped out and the proper Wiredrive styling is used without conflict.
If you do not know how to do the above you can prepare your shared Presentation settings and when you get ready to add the message portion:
Uncheck the "Rich-text" box next to the message body field.
Paste your text
Re-check the rich-text checkbox (very important)
Why was this not an issue before?
The last update to our emails templates was over 10 years ago. This means we used very outdated templates that did not rely on any rich-text functions for the email that was sent out. However, with the new email standards that provided additional security and styling updates for all current email applications. these updates are needed and provided a better experience for all of our users/recipients.
View ArticleIn some recent changes to the sender email listed for Wiredrive Presentations and emails. We have a new set of emails that need to be considered for authorized senders if you have restricted email settings with your current provider.
Solution:
Find your system email whitelist or authorized sender field, in which you should enter ( [email protected], [email protected], [email protected] ).
Confirm that your updates will take place immediately, then go into Wiredrive and Share a Presentation to that group email.
View ArticleWhen using the Gallery theme, each asset thumbnail is rendered to the DOM as follows: A thumbnail container element is drawn with the dimensions specified in the Thumbnail dimensions section of the Gallery theme options. The thumbnail strategy defines the rest:
When in Scale mode, an image element whose source is the assets thumbnail is drawn inside the bounding box. The image is scaled to fit within side the bounding box while preserving the original images aspect ratio. Once the image is scaled to fit within the specified bounding box, the bounding box will collapse around the scaled image (unless the Center-align thumbnail (letterbox) option is checked, in which case, the bounding box will remain its specified size, and the areas of the bounding box that do not overlap the scaled image will be shaded in with a dark gray color set to the opacity specified by the Pillarbox and letterbox opacity setting in the Wiredrive Player Settings admin page).
When in Crop mode, the thumbnail image is used as the horizontally-and-vertically-centered background image of the thumbnail bounding box. This means that the dimensions you specify for the thumbnails now act as the dimensions for a horizontally and vertically centered cropping mask over the original thumbnail.
View ArticleYou can upload to Wiredrive from your Dropbox account, making it easier to manage files and collaborate beyond the desktop. Many Wiredrive users mentioned to us that they use a company Dropbox system for asset storage + organization, so this integration bridges the gap between cloud-based bulk file storage and the review and approval features of Wiredrive.
To upload to Wiredrive from Dropbox:
Log into Wiredrive.
If using Projects, navigate into the project + folder you wish to upload into (this function works in Library as well).
Select "Upload."
Within the upload window, select "Choose from Dropbox."
This will prompt you to log into Dropbox using your Dropbox account credentials.
Locate the files you wish to upload into Wiredrive and select "choose" (you can select multiple files by holding "shift" and clicking files).
Wiredrive will start importing files from Dropbox into the location you selected (please note that files uploaded from Dropbox will count towards your Wiredrive storage).
Wiredrive will show upload progress and alert you when uploads are complete. Once complete, refresh the page to see your new files.
Notes:
You need a Dropbox account and credentials to log in to Dropbox in order to use this feature.
Files uploaded from Dropbox into Wiredrive are written to the Wiredrive storage servers, so these will count towards your monthly average.
If you hold down the "shift" key on your keyboard and click files, it will allow for multiple file selection.
Wiredrive is still as secure as it was before this integration existed. This integration requires that users enter credentials in Dropbox in order to use it, so it does not allow unauthorized access to Wiredrive.
Yes, you can drag and drop from your synced Dropbox folder from your desktop. You do not need to use the Dropbox integration for this.
You can not sync your Dropbox account and my Wiredrive system for automatic uploads.

Whether you are new to Wiredrive and just getting started or looking for a quick refresher, the resources below will guide you through the application's features and workflows. Take a look around this Quickstart guide to Wiredrive and see just how easy it is to manage and present your media like a pro.
What is Wiredrive?
View ArticleIt is very important that files be named with proper conventions, not just for Wiredrive but for the web in general. Poor file and folder names can cause a number of problems, including playback and download issues. To ensure that files and folders always work, we recommend that you follow these best practices:
*All files must have the correct extension (.mov, .mp4, .mp3....) in order to play properly. Files without extensions will cause playback issues.
File names should only contain letters, numbers, underscores, and dashes. You should not use:
periods
quotation marks
slashes
question marks
spaces
Anything that is not a letter, number, or underscore.
Again, Do not use special characters in file and folder names!
Develop well-defined file naming conventions.
The more meaningful and descriptive your file names are, the easier it is to navigate and locate said files. We recommend that you recommend that you develop a standard naming convention that captures information that is important to you. For example, if you are an editorial company and you need to post a new revision of a Doritos spot, then a good filename may be 1_08_Doritos_Rev_2.mov. This file name clearly states the date of the output, the client, and the revision number. These are small details that can make a big difference in workflow.
How to rename files and folders.
See Managing project room files for instructions on renaming files and folders in Project.
See Managing Library files for instructions on renaming files in Library.
View ArticleProject Trash
As a Producer, you can recover trash for projects you are the Project Manager for. As an Administrator, you can recover content from any project you have access to.
* Recovery will recover files only. Folders are not physical pieces of content so it is best to recreate the folder assignments before restoring the contents.
Emptied Trash
Once the trash has been emptied there is no recovery for this content.
DELETED PROJECTS
Once you delete a project, that project is permanently deleted and can not be restored. Additionally, since the entire project is permanently deleted, the content within that project is permanently deleted as well.
If you delete an entire project, the project is immediately deleted and cannot be recovered. We have two confirmation steps in place when you select to delete a project requiring that the user confirms their intent to delete a project, so if a user answers "yes" to these two dialogue boxes, we take it to mean that something should be deleted.
View ArticleWith Single Sign-On, employee transitions can be enforced in Wiredrive as easily as they are with your other cloud applications. Employees can only log in to Wiredrive when their identity provider credentials are valid. As soon asthey'reactive, the employee can log in. Deactivate them, and the employee will not be able to log in anymore. Furthermore, with just-in-time user provisioning, youdon'thave to create accounts for employees in Wiredrive. Oncethey'reable to sign on through the identity provider, Wiredrive will automatically create an account for them if none exists. Your IT department has the assurance that no one is able to access Wiredrive whenthey'renot supposed to.
Using your own identity provider in conjunction with Wiredrive allows you to define additional security when and how you need it. So, if your work is sensitive and you need to have a heightened level of security, Wiredrive with Single Sign-On is ideal. If you need to enforce special password strength rules or you want to enforce password changes on a schedule, you can manage those rules through your identity provider. If your provider supports one-time passwords or multi-factor authentication, those requirements will be honored by Wiredrive.
Managing your users in multiple vendor systems can be very inefficient and potentially a liability. By using Single Sign-On, Wiredrive defers all decisions of authentication and identity to your company and your identity provider. You can quickly activate and deactivate users from your identity provider and have those decisions honored by Wiredrive - no need to separately manage user accounts.
How do I enable SSO with Wiredrive?
If you have an existing system, our Customer Success team will work with you to help prepare your system for SSO. You will need to have an identity provider that supports SAML 2.0 (e.g. Okta, PingID, OneLogin, etc.)
Can my LDAP or Active Directory groups be used in Wiredrive?
Wiredrive will expand our SSO and user management capabilities over the course of the next year. We are planning to enable some integration with LDAP and Active Directory groups, which may allow for fine-grained control over user birthright permissions and access.
What does my identity provider need to support to allow me to use SSO?
Your identity provider needs to support sending SAML 2.0 assertions - for instance, Okta, OneLogin, and PingID all support SAML 2.0.
Can I enforce stricter requirements, e.g. two-factor authentication?
Absolutely - if your identity provider supports it. Wiredrive trusts your identity provider, so as your security requirements evolve, you can make changes without needing to update any configuration in Wiredrive.
Are there unique requirements I should be aware of?
If you wish to integrate with Okta, it will be necessary to set the Wiredrive username for all users to match the email address connected to their Okta profile.
View ArticleIn some cases, you may have a reel or a specific file that does not play. There are several reasons why a file will not play and several solutions that can be applied to properly correct this issue.
Reasons:
You file is improperly encoded and is not H.264 video compression or AAC audio compression.
You file format is not a supported format currently supported by Wiredrive. Please check our Supported File Types Page.
Your file was uploaded but requires transcoding for a web version playback and was not transcoded (files uploaded prior to 2016).
Solution:
Make sure your file is encoded in the minimumencoding requirements outlined in this article.
Make sure your file is supported and is a playable format. For example, we do not support certain ProRes or raw video files for playback.
Lastly, done by a Library administratoryou will need to find the file under Library > Administration. Download the file and replace the file with a fresh upload of the same file. This will run the file through our transcoder to confirm it is in the best file format for web playback.

View ArticleWhy do I need to worry about security?
Wiredrive offers a group of security-focused features and policies within the application. However, even with all of the forward security functionality that is built into the application, it is still critical that users adhere to certain security best practices, to ensure the most secure experience across the board.
Remember, most security leaks are a result of poor planning within organizations in regards to things such as password strength and sharing of accounts. Follow these security-related best practices to ensure the best and most secure experience when using Wiredrive.
Passwords
Wiredrive offers SSL login and encrypts passwords on our database in line with the OWASP Password Storage Best Practices. This will not prevent unauthorized access due to a poorly selected or weak password. Wiredrive requires that all passwords within the system be at least ten characters and that they are not the accounts name, nor can they be the users first, last, or username. The exception is current presentation passwords as these should be protected by not difficult to type.
What is a bad password?
In short, a bad password is one that is:
Easily guessable (Ex, a pet, child, or nickname.)
Incredibly common ( See a list of the 100 most common passwords from a recent Adobe breach. )
Flat out bad(Ex. password1, qwerty, 123456).
What is a good password?
From a security standpoint, a good password is one that is hard to remember, and we encourage all Wiredrive users to select a password that is:
A combination of alphanumeric characters. Alphanumeric characters consist of letters, numbers, punctuation marks, mathematical and other conventional symbols. Ex: B!GL3Bow$k1! or N3v3RG0nn@G1v3y0u^
Not used anywhere else. For example, don't use your Facebook password for your Wiredrive login.
For the love of all things holy, do not share your login with other users or use a shared login. Not only does this compromise security, but anything the other user does is going to point to your account. Sharing a single login is never recommended.
If you have trouble keeping track of your passwords, there are programs such as One Password where you can securely store your passwords for easy access.
Sending Presentations
The Wiredrive application is built so that users can share media. Sometimes, there is going to be media which needs to be shared with a select group, or shared briefly, then expired. While having a strong password and keeping your login details private is part of the solution, if you share media with someone that shouldn't have access toit, you're gonna have a bad time.
To ensure that your media does not get shared with the wrong people, or fall into the wrong hands, we have the following features:
The ability to disable the download of files in presentations. You can disable the "download/podcast" option in both Projects and Library Presentations. You can also disable the forward button from the send form, which prevents end users from forwarding Presentations via Wiredrive.
The ability to expire presentations that have already been sent. Expiring a presentation immediately kills the presentation link and any further clicks will take the user to a "presentation has expired" page.
A password protected presentation option. When you send a presentation, both from Library or Projects, you have the option to require a password for any recipient to see the link. This ensures that even if an end user forwards a link to someone that shouldn't have itunless they have the password it will not be viewable.
Detailed Presentation reports. In both Library and Projects, we offer detailed reports that show who has viewed what, and how many times. You can also see who forwarded Presentations and to whom. If you notice individuals who have viewed Presentations that they shouldn't have, you can expire Presentations from the reports page.
User Permissions
Wiredrive offers different permission levels for users so that admins can limit access and functionality, such as the ability to download files and create new users. We have breakdowns of the different user's levels for both Projects and Library. It is the responsibility of Admin-level users to make sure that users have the correct level of access to the Wiredrive system. Remember that administrator level users can do all functions within the system, so we suggest that companies use this permission level sparingly.
View ArticleTo use the fullfunctions of Wiredrive's tools and Presentations we ask that all users and Presentations viewers make sure they are on the latest updates of software releases to the general public to make sure that all services and configurations work as expected.

Unassigned: This option will show all projects the user is not assigned to yet. For new users, it's best to check and search this filter for available projects.
Notes:
Sometimes, you may attempt to add a user to the system that appears to not have an account, thenget a message that says that the username is taken. If you have administrator access, you may not have access to both sides of the system. For example, if you have administrator access for the Projects side of the system, but your user has a profile in Library only, you won't be able to access their profile. If that is a case, consult a user that is an administrator on both sides for assistance.

View ArticleThere are two ways to share project folders in Wiredrive. You can use the Get Link feature or the Share feature. Both will provide you with flexible options to share your work with the project team or external recipients.
Generate a Get Link:
From Projects, you can click the project or folder you want to share. You can share the entire project by clicking the project main folder or you can click sub-folders or files to share specific content.
You will then be able to click the "Get Link" button on the right side on the screen.
You with then be prompted to check the options you would like the link to provide:
Notify when viewed - Get an email every time someone accesses the get link.
Enable forward links - Anyone with the get link can open the link and click the forward option to forward to other recipients that will show in the reports as a unique view.
Allow download/podcast/RSS - This allows receiptsto download presentation files or receive embed code for the podcast or an RSS feed. Require password - This option will require recipients to enter a password to access.
Theme - If you have a plan that supports multiple themes for different brands you can choose the email template and theme that will be used for the selected presentation.
Expire - You may set an expiration date so that the presentation is only available for a specific time period. If you do not set a date your presentation will never expire and can only be expired manually in reports.
Simply click the "Create Link" option for a short link to be generated. You can click the Copy Link button to save to your clipboard or manually copy and paste as needed.
Important things to remember:
A Get Link is a URL thatcan be accessed by anyone who has it. If you are sending sensitive content, we recommend that you use the "Require Password" option to add a layer of security.
We provide you the "Track Recipient As" box on the "Get Link"page for reporting purposes. Here, you can referencethe purpose of the link (Who, Where, What the link was for) for reports.
If "Track Recipient As"is left blank, the reporting for that link will attribute any views to the creator of the link(example: Tom creates a link but does not fill out the box. Anyviews for thelink will be associated with Tom). We do not recommend leaving it blank, as it can make reporting on a presentation views confusing.
Remember that one link can be viewed multiple times by different people. We recommend that for public links, you should label them for their purpose ex: "Facebook Campaign". That way when you see a link was viewed 2000 times you know that link was shared on Facebook and publicly available.
Sharing a Presentation:
Click the "Share" button on the right side on the screen.
You with then be prompted to check the options you would like the presentation email to provide:
List recipients in email - Show the list of list of recipients the presentation is shared with.
Notify when viewed - Get an email every time someone accesses the get link.
Enable forward links - Anyone with the get link can open the link and click the forward option to forward to other recipients that will show in the reports as a unique view.
Allow download/podcast/RSS - This allows receiptsto download presentation files or receive embed code for the podcast or an RSS feed.Require password - This option will require recipients to enter a password to access.
Email Image - Will display the first image in the folder selected or you can select to use the Project image.
Once all options are set you may click "Send"
Get Link vs Share
There aremany advantages to using the "Get Link" presentation option, but it does have its drawbacks.
If you are looking for a detailed report of every user that has viewed your reels using the "Share"option will give you a more detailed report. Using "Share"requires an email address. Every recipient of that "Share"receives a unique link associated with their email address. This lets you see how many files each person watched.
"Share" will track every recipient by their email address. This may be easier for some then remembering to fill out the "Track Recipient As" box for every "Get Link".
View ArticleAn alternative to archiving a project in your Wiredrive system is to download the contents and save to an internal drive. 5. Click the 'Download' button.
Your browser should download a zip file of all the contents in the project.
View ArticleMany of our clients are required to comply with MPAA security standards in their day to day digital workflow. Wiredrive has numerous security features that aid in this process which can be read about on our security overviewbelow.
This article is intended to give a more streamlined overview of how Wiredrive addresses the Digital Security requirements recommended by the MPAA. This is just one section of the MPAA Site Security Program, which is a good read if you are interested in what it takes to be MPAA compliant. Keep in mind that this is not a full list, rather this just touches upon the areas that apply to Wiredrive in the content transfer portion of the program.
Transfer Tools
MPAA recommends that companies use transfer tools that have access controls, at least AES 128-bit encryption and strong authentication. Wiredrive offers AES 256 bit encryption by default with fall back to 128-bit.
Transfer Device Methodologies
Remove content from transfer devices immediately after receipt. Wiredrive users can delete content with a single click.
Use receipt notifications to verify successful transfer of content. Wiredrive offers "Presentation has been viewed" receipts as well as view detailed analytics.
Remove client access to transfer tool immediately after the successful transfer. Wiredrive allows four levels of access for users. Access can be revoked by administrators immediately.
Client Portal
Assign unique credentials (username + password) to individual portal users. Send credentials via secure email. Require a minimum password length of 10 characters. Wiredrive requires a minimum password length of 8 characters in line with OWASP best practices.
Ensure that user only has access to their digital assets and not those of other clients + users. Implement a process to review permissions and ensure that access is limited only to those who need it. Wiredrive allows controls that limit user's access to specific projects + assets.
Use HTTPS and enforce the use of a strong cipher suite for the internal/ external web portal. All Wiredrive traffic uses SSL with AES 256 bit and 128-bit ciphers.
Do not use persistent cookies or cookies that store credentials in plaintext. Cookies aredestroyedat theend of a session. All passwords are encrypted and stored in the Wiredrive database using modern cryptography.
Set access to content on both internal and external portals to automatically expire at set intervals. Wiredrive offers both automatic and manual expiration of Presentations and Presentation assets.
Test for web application vulnerabilities (using industry accepted testing guidelines) annually and correct any validated issues. Wiredrive performs continuous automated testing using a top tier web security organization.
View ArticleIn some cases, you may experience issues with viewing or using certain features of Wiredrive. It's possible that you are pulling old data that no longer exists or is corrupted. Updates
Change to terminology in Usage Report for email notifications: When a user added emails to be notified and updated underneath Usage Management, the terminology has been changed to "Email Notifications" to be more clear what the function is.
Bug Fixes
Mobile Sticky Header: Users will be able to have a more full-screen experience when viewing New Presentations on mobile. When turning the mobile device to landscape view, the logo at the top of the presentation will disappear to allow more of the asset to show in the window without having to scroll down.
New Presentations Full-Screen Autoplay: Fixes a bug where if a user was reviewing a Library New Presentation Reel in full screen, it was kicking the user out of the full screen when autoplaying to the next asset. The fix makes it so that Library New Presentation Reel's will now be able to autoplay successfully in fullscreen without any interruptions.
Bulk download of bundled presentations: fixed a bug where if a user received a bundled presentation and tried to download one of the presentations within, they received an error.
Gifs not supported in "New" Presentations: changes were put in to make gif performance better within New Presentations
Unexpired Links in bulk does not unexpired all of them: a fix where if a project was archived and then reactivated, reopening the links was not always successful despite saying that it was successful.
Client Category Disappears in Batch Assigner: fixes a bug that if the Client Category is moved to the last spot in the Category Groups, the drop down menu and the text field will disappear from the Client column in Batch Assigner. Now, no matter where the Client category is in the list of other categories, should always display the dropdown/text field (this does not mean changing the order of the columns displayed in Batch Assigner, it changes the metadata shown on assets within presentations)

Bug Fixes
Password Reset blank page: Previously if you opened a reset password email after the 24-hour expiration, a blank page would show. Now, we added a specific error page that states: "The Password reset email has expired. You will need to click here to generate a new request. Please be sure to use the same username found in the original email you received."
Usage bar in the usage report showing inaccurate time: The usage bar was not showing the correct hour when you hovered over the bar to see a breakdown of usage. We corrected this and also added UTC time.
Title tag missing for "new" presentations: Previously the organization name did not show in the browser tab when viewing a "new" presentation, this has been fixed.
.aif files not producing full thumbnail: .aif files now produce the correct audio waveform thumbnail.

Updates
Reset Password Username message: When a user enters an incorrect username to reset a password, the error message now reads:"The information you have entered is incorrect. If this problem persists, please contact your Wiredrive administrator for assistance."
Scroll position to stick upon navigation to another page: When a users scrolls down a long list of library items on a page and then clicks an asset to view it, clicking the back button the browser or the 'back to results' button in the interface brings the user back to the asset they left off of, instead of bringing them back to the top of the page.
Bug Fixes
"New" Presentation Comment Formatting: When leaving comments in a new presentation adding spacing and using the 'enter' key to start a new line is now properly reflected in the formatting of the comment.

View ArticleKnowing how to encode video files for the web is a critical part Wiredrive, as you need to anticipate your audience and know the ideal file size to quality ratio. The following discusses recommended starting points for file encoding for the web and reviews a few key concepts in video encoding. You may also just need compression suggestions.

*Please note that in the Wiredrive admin portal anything over 1600 x 1080 will scale in Wiredrive to 1600 x 1080 based on aspect ratio so you will not get the full size in system playback.
Selecting an Aspect Ratio
You may upload your file at your desired ratio. If you are concerned with storage space. Most users will not be able to see a difference between 720p and 1080p on their computer screens, as Wiredrive is going to scale the file based on screen size and page space. 720p will also keep your file sizes smaller to save space in your Wiredrive system
Profile Levels
Wiredrive by default supports profiles between 1-4.1,[email protected] anything over that profile will be transcoded down to meet the standards for playback supported in our player.
**For mobile presentation viewing, we suggest a profile between 1 and 2.2. As we do not adjust our player for mobile playback at this time. It is best to encode files in the first two profiles if you have a large number of users on mobile viewing presentations. As we can not account for mobile device types, hardware performance, or connection speeds, it is best to adjust to profiles between the above suggestion levels
For additional information on Profile Level, please see the flowing chart.
Adobe Media Encoder
Adobe Media Encoder is a Premium encoding application you can purchase or is included with your subscription to the Adobe Creative Cloud. The screenshot below shows the settings most clients use for HD files.
Handbrake
Quick tool to encode files from external sources that may not be in the proper format for Wiredrive playback. If you do encode with Handbrake, follow the encoding settings at the top of this page but make sure that the following settings are in place:
