Frequently Asked Questions About Xola

  • Zapier allows you to connect your Xola account to thousands of other services that help you run your business.

    For example, lets say do youuse a email marketing software to stay in touch with your customers. You could easily configure Zapier to automatically sync new bookings to your email marketing list. This is just one of thousands of ways you could use the integration.

    This article will show you how to do three things:

    Connect your Xola account to your Zapier account.

    Build a Zap using a Xola created Zap Templates

    Build your own Zap from scratch.

    1. Connect your Xola account to Zapier

    The first step is to connect your Zapier account to Xola.

    If you do not already have a Zapier account, you can get one free by going here. Zapier has both free and paid accounts and Xola works with both. You can read more about the difference between Free and Paid accounts on the Zapier Pricing Page.

    In addition, you will also need your account Xola API key to connect Xola and Zapier. To view your account API key, you must have the login credentials for your Xola account administrator and for also for API access to be enabled for your account. If you have questions about those two requirements, please reach our to our support team who can assist you.

    Once those requirements are met, please follow the below steps to connect your Xola account to Zapier.

    Log in to Xola as the account administrator. Click onSetting from the top navigation and selectAccountfrom the left navigation.You will see a section called "Api Details" if both the pre-requisites noted above have been satisfied. Copy your API key. You will need to select the 'eye' icon to reveal it.

    Log in to your Zapier account. Select Connected Accounts from the top navigation ( link ).

    In the Connected Account search box, typeXola, and select Xola from the drop down.

    A new window or tab will open. Paste your API key and submit. That page should then close and you should be brought back to your Connected Accounts page where you will see Xola as a connected account.

    You can verify Xola and Zapier are connected by selecting Test.

    Once your account is connected, its time to create some zaps! You can now trigger an action across thousands of different softwares for Xola related activity.

    You have two options. You can create a custom Zap or use one a predefined template created by Xola.

    2. Use Pre-made Zaps built by Xola

    You are also able to use Zaps built by the Xola team! Please follow these steps to use one of our pre-made Zap Templates.

    Go the the Xola Integration page on Zapier.

    UnderWays To Automatelocate a Zap you would like to use and then selectUSE THIS ZAP.

    3. Make a Custom Zap

    A custom Zap allows you a tremendous amount of flexibility on where Xola data is pushed and what happens to that once it arrives in its destination. The following steps will walk you though how to create your own custom Zap unique to your business.

    Select the orange "Make a Zap" button, located in your Zapier account

  • Inventory Management in Xola is designed to ensure your availability is accurate and you never get overbooked! Whether you have multiple experiences that share the same piece of equipment, or one experience that you need to make sure is not over booked, Inventory is what will dictate when it becomes available again.

    To set up Inventory on a Listing, follow these steps:

    Navigate to Resources > Inventory & Fixed Resources.

    Click the Red "Add +" button in the upper right corner to add a new piece of Inventory.

    Set the name, capacity, and count of that particular item.

    Click and drag the newly added piece of inventory over the desired Listing(s) on the left to connect that Inventory item's count to the Listing.

    Note: The maximum capacity on an Inventory item is a hard rule that cannot be overridden. If you need to over book a specific time slot to an amount that is over what Inventory allows, you will need to remove the Inventory from that listing or make the capacity higher.

    Get started with selling Gifts through Xola in a few simple steps

    Set up Gift Offers:Decide whether or not you will sell only full price gifts, discounted gifts (i.e. pay $75 for a $100 value), or a combination. Discounted Gifts are a great option for Black Friday, Cyber Monday and other special situations. And Xola gives you the option to have the bonus value expire (amount paid never expires). This help center article walks you through all the details of setting up your gift offers.

    Get Ready to Sell Gifts Online:Now that your gifts are set up, you'll want to create a gift button and add it to your website. Once you complete that your customers will be able to purchase gifts online.

    Sell Gifts In Person:In addition to selling gifts through your website, you can sell them in person. Here's an article on purchasing a gift in the back office.

    How does gift reporting work?

    Xola has a dedicated gift and store credit report. You can read the full help center article here.

    How do I get a link to my gift checkout?

    Simply preview the button and then copy the URL to link people directly to your gifts. You'll go to Settings > Button Code > Gifts. Then, +Create New Button or choose and existing one. Hover over the button title and click Preview. Clicking preview will open gift checkout in a new window. You can then Copy & Paste the URL from your browser and share it with customers.

    How do I see how much is left on a gift certificate?

    You can search for the purchase record from the gift & credit report and see the amount redeemed and the outstanding balance. You can read the full help center article here.

    What happens if someone attempts to redeem a gift offer outside the restrictions set up?

    If your customer attempts to book an experience that is not part of the gift offer then only the purchase price will be applied. If a $100 credit was bought for $75 only $75 will be applied. They will also get a warning telling them what the restrictions are so that they can opt to change their purchase to redeem the promotional value.

    How do I manage gifts after I've sold them?

    Xola lets you cancel, refund, or adjust the balance on a gift or credit. You can also resend gift confirmation emails. You can learn more about doing this here.

    How does a customer redeem their gift?

    They simply add their code at checkout in the section that says "Have a code?". If they are using the gift in person or over the phone you can add the code during the checkout process. Learn more here. Multiple gift codes can be applied to a single purchase and up to one coupon can be used alongside gifts.

    Does Xola have a way for me to sell physical gift cards?

    Xola does not integrate with physical gift card sales. You can however enter a custom code when purchasing a gift in the back-office. So if you get cards printed with codes on them you can type that code in and have the physical card tied to an e-gift as well. Here's an article on purchasing a gift in the back office.

    How do I change which listings show up in the email to my customers?

    Simply update your Gift Preferences under the Settings Tab. You can read more about this in our Help Center article.

  • By default, Xola allows you to sell yourlistingsas full-price gift certificates. You can alsosell giftcertificates at a fixedor variable price that can be applied across some or all of your experiences.

    Create a Gift Button

    Creating a Gift Offer

    Hover over the Products tab and select Gift Offers.

    Click +Create a Gift Offer.

    Give the gift a Name.

    Choose between Fixed price (i.e. $100 gift costs $80) or Variable price (i.e. 20% off all gifts of $50 or more).

    For a Fixed price gift offer, specify the Purchase Price and Gift Value.

    Purchase price:The price that your customer will pay at time of gift purchase.

    Gift value:The amount that the gift can be redeemed for.

    For a Variable price gift offer, specify the Discount and, optionally, Minimum price.

    Write a Description. Customers will see this description at checkout.

    Setting up Gift Offer Restrictions

    Now that you've set up the basics, you can choose whether or not to have various restrictions on your gift offer.

    The Gift Purchase Window constrains the time period in which the gift offer can be purchased. For example, it could be a special for the month of May with a Purchase Window of 5/1 - 5/31 or a Black Friday/Cyber Monday special with a Purchase Window of 11/23 - 11/26.

    Additionally you can set an Arrival Window which designates when the promotional value can be redeemed. The amount paid can never be restricted from redemption but you can set up an Arrival Window for the promotional value. This is a great way to set an "Expiration Date" for the promotional value. While the amount paid will never expire, you can control how long the promotional amount is valid. You could also use this to restrict redemption over your busy season.

    Setting a Listing Restriction will mean this Gift Offer only applies to certain experiences.

    In this example, where I want my special to run from Black Friday to Cyber Monday, the Purchase window spans those dates. In order to have the promotional value expire at the end of 2019 I have an Arrival Window that ends 12/31/2019. And in order to block the redemption of promotional value over spring break Blackout dates have been added for that week.

    After you Save your gift offer, you can upload a photo that will be displayed at checkout.

    Customer Experience

    The Gift purchaser can choose to send the gift certificate directly to the recipient or have it sent to themself to print out or forward to the recipient at a later date.

  • Xola's gift certificate module allows you to sell gift certificates through Gift Buttons on your website or in the Xola back office. Below we've outlined how to create a GiftButton and find the HTML code to install on your website's backend.

    Create a Gift Button

    Navigate to the Settings tab, and select Button Code.

    Select the Gifts tab.

    Select +Create New Button

    Click and drag the options you want to offer from the left side menuto the right.Any listings you add will be sold as full price gift certificates. You can also drag over any gift offers or the custom dollar amount option.

    ClickSave.

    Xola will autogenerate button code for this new gift button. Hover over it and click Copy - You can then paste this into the backend of your website.

  • All gift and store credit reporting information is stored in theReports tab of the Xola app as well as in an exportable report from the same tab.

    GiftReports

    Search and Filter You can search by Name, Email, or Gift Code of the purchaser or recipient.

    View Gift Information

    Name: You'll find the purchase of the gift under From: and the recipient under To:. Here you will also find the gift or store credit code issued.

    Gift Value: The original purchase amount of the gift.

    Amount Redeemed: Dollar amount that has been applied towards a booking.

    Outstanding Balance: Dollar amount remaining on this gift code that can be applied towards a booking.

    Recognized Income: Dollar amount that has been applied to a trip that hastaken place.

    Deferred Income: Dollar amount that has been applied to a trip that is booked, but has notyet taken place.

    Purchase Date: Date that the gift was purchased.

    3. Export Gifts Report

    Exporting your Gift / Store Credit Report includes the following Columns in addition to all the data points listed above.

    Additionally you seeTags. All gifts are automatically tagged with the gift code as well as any other gifts purchased. So if yourTagshave multiple codes, this indicates it was part of a multi-gift purchase.

    Multiple Gifts in a Single Transaction

    If you check this box, your customers can purchase multiple gifts in a single transaction rather than going through the checkout workflow multiple times.

    Customer Emails

    If you check this box, the gift recipient will receive an email with their gift code and tiles for other experiences you offer. If you are selling gift offers with listing restrictions, we recommend you uncheck this box.

    Customer Phone Number Required

    If you check this box, gift purchasers must provide a phone number when buying a gift.

    Enable Captcha

    You can check this box if you have experience fraudulent gift purchases and want to mitigate bots that purchase gifts.

    Gift Reminder

    Check this box to remind gift recipients of an unused balance.

  • The Gifts/Store Credit tab under the main Reports tab contains records of gift certificate and store credit codes issued. Whenyou click onto the row of a gift or store credit, you'llsee its timeline and record of modifications. From inside the credit you can take the following actions that are detailed below:

    Resend gift emails

    Add funds

    Refund

    Adjust Balance

    Resend Gift Confirmation

    Allows you to re-send the gift certificate confirmation email to the recipient or purchaser.

    Resend Gift Receipt

    Allows you to re-send the gift receiptemail to the original purchaser.

    Add Funds

    When you Add Funds to a gift or store credit, you increase theredeemable value of the credit by charging the purchaseradditional funds.You can charge the existing card on file or add a new one to complete the transaction, and the gift or credit will automatically update to reflect the newbalance.

    Refund

    You can decreasetheredeemable value of thegift certificate when you Refund agift. If you are refunding via credit card you can only refund the card used to purchase the gift or experience. After you complete the refund the gift or credit will automatically updateto reflect the newbalance.

    Adjust Balance

    When you Adjust Balance for a gift or store credit, you increase or decrease the value of the credit without affecting the total amount paid by the purchaser. Any increase or decreasemade to the gift or credit will only affect itsredeemable value.

  • Any Xola user with access to the Dashboard can make a back office gift purchase for a customer.

    Purchase a Gift

    Navigate to the Dashboardand click the downward-facing arrow next to the Book button.

    SelectPurchase a Gift.

    In the window that opens, choose the gift. If prompted, enter amount or quantity. Then clickSelect.

    Enter in the recipient contact information and an optional personal message. Select whether you would like the gift certificate email to be sent to the purchaser or recipient's email address. Then clickNext.

    Optionally"Enter gift code" which lets you select the gift code rather than a randomly generated alphanumeric code.

    Enter the name and contact information of the gift purchaser.

    Select the method of payment for the gift purchaser. If it's a credit card, enter in the details.

    Optionally add another gift for which you can select a separate recipient.

    ClickPay.

    The purchaser will be sent the gift receipt and the purchaser or recipient will be sent the giftconfirmation as indicated. The gift will appear in the Purchases and Gift / Store Credits tab in your Xola account.

    The main change to reporting when it comes to packages is that in your exports, you will see a new column labeled Package. If an event or transaction can be attributed to a Package booking, this column will contain the appropriate package name.

    In the Transactions Report

    When you perform actions like Add Charge or Refund on a Package booking, you will first need to choose which event from the Package that action should be attributed to. For this reason, the Transactions report will function almost identically for both Package and Normal bookings. The only difference is that a new column will be added to the Transaction report named Package.

    Create and Edit a Package

    Packages allow you to bundle multiple Xola listings together into one single product offering. Theyre a great way to group and showcase more than one experience offering while driving incremental revenue by encouraging larger bookings.

    How Packages work - Quick Hits

    Packages are a combination of two or more Xola Listings.

    Listings in the same Package must share at least one common Global Demographic.

    Package bookings are handled as one single booking action & transaction for customers. For you (Xola Providers) Package bookings will behave in a very similar manner to normal bookings.

    Create a new Package

    Since packages are a combination of multiple Listings into one product offering, this means that some parts of Packaged bookings are derived from the "base Listings", and some are overridden at the package level.

    When you create a new package, you'll enter new information for the parts of the Package that need to be combined when presenting your multipleListings to customers as one Packaged offering.

    To create a new package, follow these steps:

    Navigate to Products > Packages.

    Select the green Create a Package button.

    Description

    Enter a Title for your package.

    Select which Listings you want to make up the package offering.

    In order to be offered as a package, selected listings must share at least one common global demographic

    Note: Only listings that are priced per person can be included in a package.

    Enter an Excerpt: This is the text that will appear to your customers when they are checking out online.

    Enter a Description: This text is used when participating in Xola's optional distribution channels, meaning it will not be displayed to your customers when making a normal booking through a Xola checkout window.

    Set your recommended Duration between events.

    This value will be factored in when a customer goes to book a package from your website. For example, if you enter in 30 minutes as your Duration between Events, start times for events within a package booking made via checkout will be required to have at least 30 minutes buffering them.

    Add in any desiredBlackout Schedules.If you choose to create and save a blackout schedule, packages bookings will not be available for that date range. The individual listings that make up a package will not be affected.

    Set yourStart Time Restriction. This setting will limit what times customers booking the package via checkout can select. There are two options available when configuring this:

    Start times for events in package bookings must beon the same day.

    Start times for events in package bookings must bewthin...:If this option is chosen, you'll need to input a value that effectively creates a window of time within which start times for a package booking must fall. For example, if you enter in 4 hours, a customer could have one start time for Listing A at 12:00 PM and another for Listing B at 4:00 PM, but could not book Listing B at 5:00 PM.

    Describe your Cancellation Policy for this packages bookings. This field is displayed in confirmation and reminder emails.

    Describe any Other Considerations that you want your customers to be made aware of once they book this package. This field is displayed in confirmation and reminder emails.

    Select Save

    Package Pricing

    Now its time to set a price for your Package. You can configure a custom price for your packages Demographics and Add-ons.

    Demographic Pricing

    Package prices are set at the Demographic level. The Base Price that you see in this section is the sum of the demographic price for each individual listing that makes up the package. An easy way to describe this would be that the Base price represents what a customer would pay if they were to book each listing independently.

    You have the option to set a demographics price by specifying a discrete dollar amount to be discounted, a percentage discount, or by simply choosing a final price. You can also add/remove a shared global demographic to/from the package offering.

    Add-On Pricing

    If any of the listings that make up the package have Add-ons configured, they will appear on this page.

    Similar to demographics, You have the option to set an Add-ons price by specifying a discrete dollar amount to be discounted, a percentage discount, or by simply choosing a final price. You can also add/remove an Add-on to/from the package offering.

    Payment Method

    In this section, specify whether you would like to require payment from customers booking via checkout, or not.

    Deposits

    If youd like to allow customers to place a down deposit when booking this package via checkout, follow these steps:

    Check the box, Enable deposit payments.

    Specify how far in advance the event's start time must be in order to allow a deposit.

    Enter in the required deposit amount. You have the option to collect:

    A dollar amount per person

    A dollar amount per checkout

    A percentage of the checkout price

    Note: Customers who book online will always have the option to pay their checkout amount in full, as opposed to just the deposit amount.

    Package Photos

    Each package that you make will need to have a photo uploaded. This photo will be displayed to customers in checkout when they are making a package booking. The primary photo for each individual listing is also displayed to customers, however individual listing photos are displayed a bit less prominently than your packages primary photo (see packages checkout).

    Package photos are configured the same way that Listing photos are - check out this article for instructions on how to upload and manage photos.

    Package Questionnaire

    When a package booking is made, only one instance of your questionnaire will be prompted post-checkout.

    Package Terms and Conditions

    Terms and Conditions for packages are configured in the exact same way that Listing Terms and Conditions are - check out this article for instructions on how to create and manage Terms and Conditions.

    Taxes and Fees for Packages

    Currently, taxes and fees for Package bookings are assessed individually per Event, according to that event's Listing configuration. So, the total Taxes and Fees charged for Package bookings will add up to the same amount that you'd see if both events were booked separately from one another (after any applicable discounts).

    Switch Experience

    Switch experience is not currently available for Package bookings.

    Add Code Post-Purchase

    You can add Affiliate and Gift codes to Package bookings by selecting the Add Code button on the Purchases tab.

    Currently, discount coupons cannot be added to package bookings.

    In the Back Office

    From the Dashboard or Purchases tab, click the green Book button and choose an experience to book.

    Select the Package the customer would like to book. Booking Confirmation Email

    Enter Booking Details.

    Quantity of guests

    Date & Time of each event in the Package

    Note: You can book events that overlap in duration in the back office if you would like (after receiving a pop-up warning asking if youre sure). When booking a package online, overlapping events are not allowed to be booked.

    Dont see the time that you need? Select add a new timeslot to create a new one! (note: if your inventory is not available, youwon'tbe able to create a new timeslot)

    Select Add-On Quantity

    Enter payment details.

    Do not charge card now: This will store your customer's card information but will not yet charge the customer. You can later go into the customer purchase to collect on the balance.

    Pay Later: This allows the customer to reserve their spot without collecting any payment. You can later go into the customer purchase to collect on the balance.

    Apply Gift or Affiliate

    Note: Currently, discount coupon codes & Vouchers cannot be used for Package bookings.

    Select payment method: (CC, Cash, Check, Other, Pay Later).

    Note: If your customer is paying by check, we recommend noting the check number in the comment section.

    Add a Booking Note (optional) - This will appear on the resulting booking page and on the event's roster in the Booking Notes section.

    Add a Comment (optional): These will appear as tags on the purchase if paying by a method other than by card.

    Click Pay.

    Note: Package bookings are handled as one single transaction for customers

    After accepting payment, you will be prompted to complete the Packages questionnaire (if applicable). This step can be bypassed by clicking "Skip", but must be completed if the booking is made online.

    After completing the questionnaire (or processing payment if the listing booked does not have a questionnaire), you will be taken into the Packages purchase record in the Purchases tab.

    Checkout

    Packages can be added to your website via checkout buttons / combined in Multi-item checkout just like normal listings. See this article for more information on how to configure checkout buttons.

    Onceyou'veadded a Package to a checkout button, follow these steps to make a Package booking via checkout:

    Open checkout for the Package that youd like to book

  • Checkout will be presented to travelers as an embedded workflow within your website, as opposed to via an Iframe.

    Navigate to the Xola App Store by clicking the App Store tab in the upper right hand corner.

    Locate Embedded Checkout and select the App Store tile.

    Click the green Install button Button Installation

    Once installed from the App Store you can then go to Settings>Button Code> Choose your Button Type. Click on Embedded Checkout

    Now you can choose a color scheme that matches your website's theme and hit update.

    When an MIC button is clicked, the customer selects an experience from a selection of experiences, and proceeds to booking.

    On page two of checkout, the customer can select 'Add another experience', and continue to book additional experiences using a shopping cart style workflow, and then checkout for all experiences in one go.

  • Xola allows you to create your own Multi-Item, Timeline, and Gift Book Now buttons and choose which listings will appear in the checkout window. Creating different groups of listings is a great idea if you have certain sets of offerings that you would like to present to your customers at the same time.

    Create a Custom Button

    Navigate to Settings > Button Code > and choose either Multi-Item, Timeline, or Gifts.

    Click +Create New Button.

    Enter in a Button Name.

    Drag the listings that you would like to appear in the checkout for this button from the left side to the right and then release.

    ClickSave to create the button.

    Hover over the newly created button code and click Copy. To add the button to your website you'll want to paste this code intoits backend.

    Edit Buttons

    Preview: To preview the checkout experience, hover over the button and click Preview. This will open up the checkout in a secure tab in your browser. You can also use this URL to send a direct checkout link to a customer via email.

    Edit Listings: To remove a listing from a button, drag the listing from the right side to the left and release. To add a listing to a button, drag the listing from the left side to the right and release. Click Save. Your button will automatically update on your site!

    Archive: If you no longer need this button, you can delete it by clicking Archive.

    The Javascript, CSS, HTML code.The HTML and the CSS combine to produce the button that you see, and the Javascript is what makes the button react (ie, bring up checkout) when clicked.

    HTML:This is the code you'll paste into your website editor in the location where you would like thebutton to appear. It tells Xola which checkout to bring up in the IFrame or mobile checkout window.

    Xola listings are each autogenerated their own HTML code, like the West Side Story listing below.

    HTML code is autogenerated upon creating a Multi-Item, Timeline, orGifts button, like the All Tours button below.

  • To allow customers to make online bookings, you'll need to implementXola Book Now button code on your website.You can find thiscode you need by navigating to Settings > Button Code, and following the steps below. Please note that installing the Javascript only needs to be done once per website - From then on you can simply paste in new button HTML code as needed.

    Button Set Up

    CSS:

    Choose Your Checkout Type:

    Pop up Checkout: Iframe allows people to stay on your site but pop ups a separate check out window. Select whether you'd like to use Xola's green Default Book Now button or if you'd like to designate your own Custom CSS button class.

    URL Checkout: Takes the customer to a new URL when they click on the Book Now button

    Note: URL checkout will not track Google Analytics for your account.

    HTML: Select or generate your HTML code! Single-Item Checkout is automatically generated for each listing. When you create a Multi-Item, Timeline, or Gifts button, the HMTL code is generated when you click Save.

    Paste this HTML code in the text editor of your webpage, save, and publish. The Book Now button should now appear and pull up the appropriate checkout when clicked.

    Post-Installation

    Add more buttons to your site: Once you have the Javascript installed into your website's header or footer, you can add more buttons by pasting in the button HTML codeat any time.

    Edit the listings in a Multi-Item, Timeline, or Gifts button: Hover over the button and click Edit. To add a listing to a button, drag it from the left side to the right and release. To remove a listing from a button, drag it from the right side to the left and release.

  • Project Expedition is a distribution platform that integrates with Xola and allows your customer to create a booking from the Project Expedition website, which will push that booking and its relevant information straight into you Xola account automatically. This is a great way to increase revenue by selling your tours on a major distribution channel, while still viewing the bookings and reflecting accurate availability within Xola.

    To set this up you will need a Project Expedition account, which you can sign up for here: https://www.projectexpedition.com/

    After your Project Expedition account is up and running, you can integrate it with your Xola account by following these steps:

    Navigate to Settings > Distribution. (Do not use the Xola App Store to enable Project Expedition at this time).

    Locate Project Expedition and toggle it on.

    Shortly after this is enabled for your account, Project Expedition will reach out to Xola's support team to complete the mapping process.

    Tip:It is important to note that all Project Expeditionbookings are auto-accepted in your Xola account, and you cannot modify or cancel them from within Xola. You will have to login to your Project Expedition account to do so.

  • Your roster provides you with all the information available for a trip. Clicking into atriptimeslottakes you directly intoyour Roster view, where you'll see trip information includingtriptitle, date and time, add-ons, guides, and trip capacity information. Youll also findthe names of all the reserved guests along with their contact information.

  • Xolabot's Resume Booking feature increases your websites conversion rates and revenue from bookings. It does this by re-engaging customers who have opened a checkout window and exited without making a purchase. When a customer exits a checkout, the following bot will show up.

    How does it work?

    If your customer opened up the check out a window and did not complete the checkout, XolaBot will pop back up after three seconds and askyour customer if they would like to complete their checkout.

    When a traveler selectsYES, RESUME BOOKINGthey will be brought back to where the left off at checkout.

  • Xolabot's Lightning Deals feature allows you to automatically offer last-minute promotions on your website. XolaBot - our automated marketing bot - lives on your website and engages visitors to drive conversions and increase revenue.

    There are two main ways use Lightning Deals:

    Increase occupancy for distressed inventory. Distressed inventory is the idea that you have a timeslot where the arrival time is approaching and there aren't many or any bookings yet. For example, let's say that you have a tour time coming up in 12 hours that can accommodate 16 people but there are only 2 people booked (12.5% utilized). That could be considered a distressed inventory and Lightning Deals could offer last-minute deals to incentive website visitors to book distressed inventory. This will ultimately allow you to increase bookings during times that aren't as popular. You define what qualifies as distressed inventory when setting up Lightning Deals.

    Increase bookings for specific times of the day or days of the week. If your business has typically slow times of the week or day, you can use Lightning Deals to only offer discounts for timeslots that fall during your less busy times. For example you could set up a Lightning Deal that invites people to book for 15% off on weekdays before 5 pm.

    XolaBot & Lightning Deals Demo

    When someone lands on you're a website, they will be offered a Lightning Deal if it fits the settings that you configure. Here is how it will look from your customers perspective.

    There are three steps the website visitor must act on before they go to the Xola online checkout window:

    First, they are asked if they are interested in a Lightning Deal. The copy is: "Hi! Were offering some last-minute deals for {Name of Listing}. Are you interested in learning more?"

    They have two options to pick from:

    "YES, PLEASE": This will bring them to the next prompt where they can select the number of people in their reservation.

    "NO, THANKS": This will mark the message as read and it will go away.

    Second, they are shown what the discount offer is and are asked to select their party size. The messaging for this is: "Fantastic! We may be able to offer you up to 25% off your booking. How many people are in your group?" The discount messaging is based on the coupon campaign you have chosen.

    The buttons they select is the size of their party. This ensures they are only shown timeslots that can accommodate their group size.

    Third, the visitor is presented with the available times. Once they select the timeslot the Xola booking window opens and their discount is automatically applied.

    Getting Started with Lightning Deals

    To set up your Lightning Deals, you first need to enable it from the App Store and then configure your preferences. Click here for a video walk through on getting started with Lightning Deals.

    Within Xola, log in as an Admin

    Select App Store from the top navigation

    Search forXolaBot

    Select Install on Lightning Deals and follow the prompts.

    Once on the settings page, you have the following configuration options:

    Experience: Lightning deals allows you to promote one listing at a time. From the drop-down list, select the listing for which you'd like to offer Lightning Deals.

    Coupon: The specific parameters of the Lightning Deal are based on the discount coupon campaign you select. From here, you have two options:

    Option 1: Select an existing coupon campaign from the drop-down list.

    Option 2: Go to Marketings > Coupons and create a discount coupon specifically for this Lightning Deal. The new coupon must be a discount style coupon. Learn more about setting up a coupon campaign here.

    Delay: This the number of seconds after someone lands on your site before XolaBot will offer the Lightning Deals. For example, if it is set to 3, then the lightning deal will be shown 3 seconds after the visitor lands on your site.

    Minimum capacity utilization:Capacity utilization refers to what percent of a timeslot is booked. For example, if a tour time can take 12 people, and 3 are already booked, then the capacity utilization is 25%. Lightning Deals will allow you to specify the range in which timeslots will be shown. If you select the minimum to be 0% and the maximum to be 50%, then only timeslots that are less than half booked will be offered as Lightning Deals.

    Maximum capacity utilization: This sets the maximum of the capacity utilization range.

    Duration before the event:This allows you to specify how far in advance of a timeslot a Lightning Deal will be shown. For example, if you set it to 24 hours, then any timeslot that is within 24 hours and within the capacity utilization range will be shown. But, if a timeslot is more than 24 hours away, then Lightning Deals will never show it. This ensures that people are not able to book your last-minute lightning deals weeks in advance.

    You can configure Lightning Deals to best match your business needs. Keep reading to see examples of the two main ways of using XolaBot Lightning Deals.

    Increase utilization for distressed inventory

    This use case is geared toward using Lightning Deals primarily to fill underutilized timeslots. This is well-suited if you are looking to offer a discount anytime of day or day of the week, so long as the timeslot meets your capacity utilization settings.

    We suggest first determining what range you should use by looking at the Capacity Utilization report. If you don't have this enabled, you can go to the App Store, search forCapacity Utilization, and enable the app. It will be located under the Reports tab.

    Once you have that enabled, select the listing for which you want to offer Lightning Deals and your last month of data. You'll see something like this:

    This allows you to easily visualize low or no capacity timeslots in order to get a sense of how offering Lightning Deals for distressed inventory could increase bookings for those timeslots.

    A possible Lightning Deals configuration might look like this if you wanted to incentive website visitors to book distressed inventory.

    Experience: Listing for the lightning deal

    Coupon: 25% off discount coupon.

    Delay: 1 second (which will show almost immediately)

    Minimum capacity utilization: 0%

    In this setup, any timeslot within 5 days and under 50% booked will receive a one-time offer for 25% off. You could even get a little fancier and set up the coupon associated with this Lightning Deal to only be offered during weekdays. This prevents Lightning Deals from being offered for timeslots during the weekend!

    These are just some ideas to get you started. Each business is unique and you will have the best idea of what configuration makes the most sense for your business.

    Increase bookings for specific times of the day or days of the week

    Lightning Deals can be restricted based on the paramaters of the coupon campaign, which allows you to base your Lightning Deals on time of day or day of the week rather than, or in addition to, capacity utilization. For example, if you only want to show Lightning Deal time-slots for your weekday morning timeslots, all you need to do is adjust the coupon arrival times to something along these lines:

    Perhaps you might want to configure Lightning Deals with something like this:

    Experience: Listing for the lightning deal

    Coupon: 25% off discount coupon.

    Delay: 1 second (which will show almost immediately)

    Minimum capacity utilization: 0%

    Maximum capacity utilization: 50%

    Duration before the event: 2weeks

    With this setup, we are extending the duration before the event to 2 weeks, which offers more opportunities to fill our weekday morning timeslots. A campaign like this would be useful for businesses that are very busy on weekday nights and weekends but struggle to bring people in during regular business hours.

    These are just some ideas to get you started. Each business is unique and you will have the best idea of what configuration makes the most sense for your business.

  • Export a roster

    To export the roster for a particular event, click the Export Roster button from inside the Roster View. It will immediately generate a .csv file of the roster that will download directly to your browser.

    From the List View only you can also hit Export Days Rosterbefore clicking into a timeslot for an exported .csv file of the entire day's roster.

    Tip: If you're currently in a timeslot and viewing the Roster, to get back to the overall List View hit the arrow button next to the date name.

    Customize the roster

    Xola allows you to customize what is included in your roster export from the settings tab. Simply go to Settings > Roster and select which columns to include in your exports.

    Export to Excel

    When opened you will see the following tabs on the excel sheet, if the information is on the roster.

    Email a roster

    To email the roster for a particular event, click the Email Roster button from inside the Roster View. It will immediately email the roster to the Communication email you have designated in Xola or to the guide assigned to the trip.

    The roster for a tour is automatically emailed to the assigned guide(s) 12 hours prior to the event. Click theDownload spreadsheetlink in the top right corner to download the Excel version of the roster.

    Print a roster

    To print the roster for a particular trip, click the Printbutton from inside the Roster View.

  • The Xola Dashboard is your home for viewing all of your event time slots. It's where you can see what you have available and what is reserved, view and make changes to a roster, set color preferences for your listings, and more!

    You can filter your views to customize what you see in the Dashboard in the tool bar across the top of the page, just below the main tabs.

    Tools, Views, and Filters

    Tools

    In the upper left corner, you have a search bar that allows you to quickly locate a customer by their name, email, or phone number to navigate straight to their booking in the Dashboard. Next to this, you will see a date picker which allows you to navigate to a specific date, regardless of what filtered view you may be looking at.

    Note: Unlike the Purchases tab, the Dashboard search only looks forward to future reservations and will not pull up a reservation from the past. To locate customers with past reservations, use the search feature in the Purchases tab.

    Views

    Next you will see a drop down menu which controls the view in which your time slots are displayed in the Dashboard. The available views to choose from are:

    List

    Day

    Week

    Month

    Click any of the views listed above for more information.

    Filters

    To the right of the initial view drop down, you will see another drop down titled Filters. Here you can control which listings show and which do not, as well as view time slots with specific guide(s) assigned to them.

    Color Preferences

    You can also assign colors to specific listings in order to easily pick them out when viewing the Dashboard by selecting the Color Preferencesoption at the bottom of the Filters drop down. Adding color lets you easily view your schedule and availability. And you can choose which color corresponds to which listing and how colors are displayed.

    Reserved, Available, All

    The next point of control are three buttons side by side that allow you to control whether you are looking at what time slots have reservations placed on them, which time slots have availability, or all time slots regardless of bookings.

    Event Actions

    Perform event level actions via the yellow action bar, either individually or in bulk, by selecting an event or using command+ click to select multiple events when looking at the Day or Week View. You can also access the event actions menu for individual events by right clickingon a single event tile. Event actionsinclude:

    View Roster: View the roster for an individual event (not available when more than one event has been selected)

    Message:Send an email, SMS, or both to all guests with valid contact info booked on the selected event(s).

    Add event note:Add an event note to the roster ofthe selected event(s).

    Guides:Assign one or more available guides tothe selected event(s).

    UnassignGuides:Remove all assigned guide from the selected event(s).

    Saved Views

    The final option is a drop down menu that allows you to save the filters you have set at that moment, and decide which one is your default.

    The Dashboard List View will show you all your event time slots in a vertically cascading list for any selected day.

  • Saved and Favorite Views

    If you have a specific view in the Dashboard you find yourself looking at often, you can now save this view for easy access later. Also, you can favorite the view you would like to load as a default whenever you log into Xola.

    To save a view:

    Set your desired view and filters using the tool bar near the top of the screen when looking at the Dashboard.

    Click the drop down menu to the right of Reserved, Available, All, which will show a list of your Saved Views (if you do not have any Saved Views this window will simply show "Default View".

    Click Save as new viewto save the view.

    Name the view and click Save.

    Once you have saved one or more views, you can Favorite the view you would like to load first when signing into Xola. You can do this by clicking the drop down menu to see your Saved Views, and selecting the star next to the title to set it as your Favorite.

  • Xola's Advanced Pricing allows you to set up your experience pricing in the way that matches your business needs. Whether you want to offer group discounts, tiered pricing, private outings, or more, this section lets you customize all your pricing preferences in one spot.

    Pricing Types

    Note: It is best to make updates to your pricing outside your normal or busy business hours as your team will need to log out of and back into Xola to make bookings after pricing changes are made on your account.

    Per Person vs. Per Outing Pricing

    You have the option for your listing to be priced either per person or per outing. Per Person pricing will change the total price based on the number of individuals booking. Per Outing pricing will be a private experience, meaning only one group is allowed to book that timeslot. The pricing can be flat or tiered, based on group size and the preferences you set.

    Flat Pricing

    With Flat Pricing (for per person or per outing) the total number of people booking has no impact on the price. Whatever you have set for the demographic or outing price will be the cost.

    Tiered Pricing

    With Tiered Pricing, the price you charge changes when group size thresholds are passed. For example if you do Tiered Per Outing Pricing you could do the following:

    Your customers are able to use coupons at checkout when you use tiered pricing.

    Group Discounts

    Group Discounts can only be used with Per Person pricing and cannot be combined with Tiered Pricing. This option allows you to offer percentage based discounts for groups while imposing a limit on the maximum discount. For Example you could do the following:

    When a booking hits the group minimum during checkout, the group discount will automatically be calculated and applied to the booking. You are not able to apply coupons to a booking when you use group discounts.

    Private Pricing

    If a Listing is pricedper person, you have the option to offer two different booking types to customers. They are:

    Shared:Multiple groups are allowed to book the same event.This is Xola's default booking type, and will apply when private pricing is either not configured or not selected by the customer during the booking process.

    Private:Only one group is allowed to book per event.

    When you enable private pricing you can choose whether bookings are always private or allow the customer to choose at time of booking. You can also set up pricing that is specific to private reservations and which schedules are eligible for private bookings. You can .

    Payment Collection Preferences

    Payment Requirement

    Choose whether or not payment is required at checkout. If you do not require payment at the time of booking your customers will have the option to simply Reserve their booking at checkout.

    Deposits and Balances

    By setting up Down Deposits, you provide your customer to pay only a deposit at checkout with the remaining balance due at a specified time. A deposit can be set up as a fixed amount per person or per booking or a percentage of the entire price.

    You also have the option to automatically invoice customers for the balance due before their arrival or collect their payment manually in person or over the phone. Xola does not automatically collect balances. You can see which purchases have payment due from the Pending Actions Notification Bell within Xola.

    You can also set up your Self Service options to allow customers to make payment via invoice for any balance due prior to their experience.

  • When setting up scheduled, Xola provides the option to have a price change (either increase or decrease) associated with that schedule.

    Maybe there are a few days throughout the year where you raise or loweryour prices - for the Spring Break, something big is going on in town, or you're hostinga special event ... Whatever the reason, you can use a Custom Schedule to specify price increases or decreases on specific days throughout the year. You can also use Schedule-Based Pricing on a recurring basis - for example in order to charge higher prices on weekends.

    Setting up Schedule-based Pricing:

    Go to Products > Listings > and select the listing for which you would like to set up schedule-based pricing.

    Scroll down to Schedule and select +Add Schedule.

    Input a schedule name and select Open for the availability.

    If you would like the price change to be recurring (i.e. to charge $10 more on weekends) select Weekly. Or select Custom to select a single day or a few days of the year (i.e. to set up a $15 increase for the week of Spring Break).

    Set up the date or dates and times for the price change. You can also set up certain timeslots to have the price change (i.e. to make early morning offerings $5 less).

    In the Price row, select either Increase or Decrease by from the drop-down menu, and specify the dollar amount. The dollar amount by which you increase or decrease the price will apply across all pricing demographics.

    Click Save.

  • If a Listing is priced per person, you have the option to offer two different booking types to customers. They are:

    Shared:Multiple groups are allowed to book the same event.This is Xola's standard booking type, and will apply when private pricing is either not configured or not selected by the customer during the booking process.

    Private:Only one group is allowed to book per event.

    Tip:An "event" refers to a bookable, time-slotted instance ofone of your listings. Forexample, the 12:00 PM and 1:00 PM timeslots forListing: EscapeFrom Langton Street are twodifferentevents.

    Note:Bookings made for Listings that have Per-Outing pricingare always private. I.e., one group books a timeslot and from that point on, no separate customerscan book in the same exact event.

    How to Enable

    To enable private pricing for a Listing:

    Navigate to Products > Listings > Edit Listing > Pricing.

    Select the checkbox labeled "Private Pricing".

    Choose when private bookings should be allowed. Options include:

    Bookings are always private.

    Enabling this will mean that only one booking will be allowed per event for this Listing.

    Allow private bookings at time of booking.

    Enabling this will mean that you and your customers will be given the option to choose whether the booking is shared or private while the booking is being made. This will also allow you to switch between private and shared after the booking has been made.

    If this option is chosen, you can choose which of your Listing's schedules you would like to offer the private booking option for.

    Configure a special price that should be applied when the private booking option is selected.

    A common use case is to offerper person pricing for shared bookings, and per outing pricing for private bookings.

    How it Works

    For back-office bookings:

    During the Make-a-booking process, select a listing that has the private booking enabled:

    At the top of the page, select the option labeled "Make bookingprivate". After selecting this option, only timeslots that do not have any bookings yet will appear as available.

    If the Listing has been configured with a different price for Private bookings, those pricing rules will apply.

    For checkout bookings:

    On the booking details page of checkout, customers will see a new section labeled "Booking Type" There will be two options presented:

    Shared

    Private

    Depending on which option is selected, the available dates/times in the calendar will update accordingly (private bookings are only available for events with no previously placed bookings. Any checkout price messaging that has been configured will also update dynamically to reflect the private or shared price.

    Switch a booking's type:

    After a shared or private booking has been made, you have the option to switch it to the other type. This option can be found on the Purchasestab, inside of the black action-menu.

    When choosing to switch a booking from shared to private, only events that do not have a booking on them yet will appear as available.

    Any pricing differences that have been configured will be applied when changing a booking's type.

  • Scheduling is at the core of your business, and we've found that no two activity provider's schedules are exactly the same. Here you'll find instructions on how to add schedules to your listings that will reflect your business's availability and allow yourself oryour customers to make bookings (or perhaps to give yourself the day off).

    Schedules

    Through creating and saving multiple different schedules, Xola allows you to build activity schedules that are as simple or intricate as you would like. Combining schedules also allows for dynamic pricing that adjusts based on time or day.You can create as many schedules as you would like!

    In theSchedule section of the listing, clickAdd Schedule.

    In the window that opens, enter ScheduleDetails, detailed below.

    Availability

    Open:Creates a schedule with times that this listing is available to be booked by customers.

    Blackout:Creates a schedule with times that this listing will not be available.

    Repeats

    Weekly: The schedule that you create will repeat each week on your calendar. Select or deselect individual weekdays using the checkboxes listed afterRepeat On.

    Custom:Allows you to hand-select individual days to whichthis schedule will apply.

    Timeslots

    This is where you will choose the departuretimes that are able to be booked for this listing. You can create as many time slots as you would like. When one gets booked, Xola will automatically check your availability for the rest of the day and adjust your schedule accordingly.

    If your listing does not have set departure times,toggle on "No fixed departure times". Your customers will simply select a date at checkout.

    Valid From

    Choose the time-span that you would like this schedule to to apply to your listing.

    If this schedule will never change, you can leave these fields blank.

    Price

    Here you can designate if there is a difference in price for this particular schedule.Example:If you charge more for trips on the weekend, make a weekly schedule with Saturday and Sundayselected and choose "Price: Increase by" and your desired amount.

    Once you've got your listing's schedule set, complete your listing by filling out the remaining fields. See: Describe Your Listing

    Tip:Use the Early and Future Cutoff fields to designate how far in advance you would like to stop taking reservations (this will only apply online, and not to bookings made in the back office).

    Tip:Check the box next to "Customers should arrive before scheduled time" to let your customers know what time they should arrive. The amount of time that you designate will be included in the Confirmation Email when someone completes a booking.

  • When configuring your listings in Xola, you have the option to prevent bookings being made through your website that occur either too close to an event's start time or too far into the future.

    Early Cutoff

    How it works

    The Early Cutoff prevents bookings from being made via checkout within a specified period of time before an event is scheduled to start.

    For example, if you need to know how many people are booked for an event at least a day in advance in order to prepare the experience, you might set an Early Cutoff of 24 hours. This would prevent someone from visiting your website 1 hour before the event starts and placing a booking that you are not prepared to accommodate.

    Additionally, you have the option to allow bookings until a secondary cutoff time is reached for events that already have at least one confirmed booking. This setting allows you to continue accepting new customers for events that are already scheduled to occur.

    How to configure

    Navigate to Products > Listings > Edit Listing > Description

    Enable by checking the box in the section labeled Early Cutoff

    Enter a value for how far in advance of start time you would like to prevent bookings for this listing.

    If you'd like to allow bookings to occur within a different cutoff time for events that already have one or more confirmed bookings, check the second box in this section.

    Enter a value for howin advance of the start time you would like to prevent bookings for this event if there is already at least one confirmed booking.

    Future Cutoff

    How it works

    The Future Cutoff allows you to prevent bookings with a start time that is too far in the future. This is a useful setting if your schedules do not have a set end date. For example, you may not want to allow customers to place a booking that is set to take place one calendar year from now, in case something changes for your business operationally between now and then (i.e. your schedule or product offerings).

    How to configure

    Navigate to Products > Listings > Edit Listing > Description

    Enable by checking the box in the section labeled Future Cutoff

    Enter a value for how far in the future you would like to prevent bookings from being made via checkout.

  • Your first trip of the day may depart at 11am, but you want to make sure your guests are arriving well ahead of time to sign waivers and get prepared. In a listing's schedule, you've added in Fixed Departure Times, or the times at which trips go out. Xola also allows you to indicate at what time customers should show up prior to the Departure Time. This isknown as the Meeting Time.

    Make Sure Your Guests Arrive Ahead of Departure Time

    Navigate to the Listings tab and click into a Listing for which you'd like to add a Meeting Time.

    Either create a schedule or verify that a schedule exists for this listing.

    To establish a Meeting Time, click the box next to Customers should arrive before the scheduled time under the schedule section.

    Enter thenumber of minutes or hours prior to the Departure Time that the customers should arrive.

    Click Save at the bottom of the listing.

    Below you'll note the Meeting Time and Departure Time in the confirmation email in the form of "Arrive By" and "Starts At".

When a customer receives a confirmation or reminder email for a listing which has Self-Service turned on, they click a "Manage this Booking" hyperlink and are taken to a Self-Service page where they can change dates, cancel, or make updates to their questionnaire.

    Enable Self-Service

    Navigate to the listing for which you'd like to turn on Self-Service.

    Click into the Self-Service tab on the left-hand menu.

    Tick off the boxes to allow for date changes, cancellations, and or questionnaire edits. When you select date changes and cancellations you'll be asked to specify how many days prior to the original trip a customer can make this change.

    Click Save.

  • You can set your pricing demographics on a listing-specific or global basis. If you've got five different tours and you offer the same demographic discounts across the board, Xola makes it easy to set these up just once.

    Global Demographics

    Navigate to the Listings tab.

    In the drop-down menu, selectGlobal Demographics.

    Click +Add to add a new global demographic.

    Enter in the Name of the demographic.

    Optional: Enter a caption for this demographic.

    Optional: Allow this demographic to apply to all listings, or toggle the button to select the listings to which this should apply.

    Click Create.

    Notes

    Click Edit to edit the Name, Caption, and applicable listings for this demographic.

    Click Delete to delete this demographic across all listings.

  • In Xola, Review Emails are follow-up emailsautomatically sent to any customer associated with the booking that has a valid email address, including the option to request reviews from non-organizer contacts that are collected via digital waivers and split payment.

    This email is sent 24 hours after their experience and prompts them to provide feedback on your services. You can configure the Xola system to send your customers links to either the Xola review system (private feedback), or to your Trip Advisor, Yelp or Google+ page (public reviews). You also have the option to create a completely customized review email. Below we review the different options we have:

    Xola Reviews

    Custom

    The following details how to set up Review Emails in Global Settings, meaning you'll have one Review Email that is sent out over all your different listings. For details on how to set up a Listing-Specific Review Email, click here.

    Review Email Options

    To enable Review Emails, follow the steps below:

    Navigate to theListingstab and select Global Settings.

    In the drop down, select GlobalReviews.

    Select one of the following review options to be sent to your customers:

    Xola Reviews

    Xola reviews are for your eyes only.

    Customers are sent an emailthat thanks them for coming and includes a link to a Xola review site.

    Once the customersubmit their feedback, it's sent to your Communication email (or Primary if you do not have one). It is not posted anywhere online.

    The Xola Review isa great option for new businesses or new tour options as you can get feedback from your valued customers without having it plastered all over the internet!

    TripAdvisor/Yelp/Google+

    Before you can enable this Review email option for TripAdvisor or Yelp, you'll need tofollow the steps outlined in the article, Link to Social Media, to add your profiles to the Settings tab.

    Once you've got your social media URLs pasted into your Settings tab, select between TripAdvisor or Yelp for your Review email.

    For Google+ reviews, select the Google+ option then follow the instructions presented for generating the special Google+ Review link.

    The link to review will read, "We'd love for you to leave us a review on [TripAdvisor/Yelp/or Google+/]" (depending on the oneyou choose).

    Once clicked, your customer will be taken directly to your profile on either one of those websites where they can go ahead and leave you a review.

    Custom Review Email

    In the text field of the Custom email option you can write in whatever copy you like.

    Hyperlink text or URLs so you can link back to your website, to multiple review sites, or wherever else on the internet you'd like your customers to visit!

    Please note:There is currently no merge field. This means that the Custom email cannot pull the customer's name from the Xola database into the email as it does with the other options. When you write your greeting, make sure to make it something generic like, "Hey there!" or "Greetings!".

  • Questionnaires collect additional information from your customers after they complete checkout. What is included in theQuestionnaire is completely customizable, and it canbe set up as Global or Listing-Specific. A Questionnairecan be skipped in the back office by a Xola user (it can always be updated in the customer purchase), but customers must complete them if they book throughyour website checkout.

    Enable theQuestionnaire

    To enable a Global Questionnaire:

    Navigate to the Listings tab and select Global Settings.

    In the drop-down, select Global Questionnaire.

    Per guest: One questionnaire is filled out per guest.

    Per booking: One questionnaire is filled out per booking.

    Fields (meant for shorter responses)

    Drag and drop available fields into the questionnaire.

    Drag the custom field into the questionnaire and create your own field.

    Make the field Required (selectasterisk icon), Included on the roster (select clipboard icon), and/or Asked only to the trip organizer (select person icon).

    Questions (meant for longer responses)

    Click the red +Custom Question button to add a short-response text question.

    Make the field required (select asterisk icon), included on the roster (select clipboard icon), and/or asked only to the trip organizer (select person icon).

    Responses

    Text: The customer types in a response.

    Dropdown: Create and edit your own dropdown menu for customers to choose from.

    Opt-In Checkbox: Add a custom link, give it a description, and Xola will hyperlink itto that website. Great for newsletter and update opt-ins as well as privacy policies or additional terms and conditions.

    Pro-Tips

    If you use the and have Pickup Location as a questionnaire field, the Pickup Location for your guests will be included in the events that show up in your GCal

    Need to sum the weights of all guests in your trip? Add a Weight field and tick the "Sum total weights" box. All weights input into the questionnaire will appear summed in the Roster.
