  • Q: How do I invite employees to use the Bento mobile app?

    A: You will need to invite employees via the web app (accessed through a web browser). Login to the admin dashboard of our desktop application via a web browser at https://bentoforbusiness.com. Go to the “Cards” tab and add an email address for the employee to grant mobile app access. An email invite link will be generated and sent to the employee.

    Q: What can business owners do with the Bento mobile app?

    A: Business owners can see all transactions in real-time, view the total account balance, and edit card controls from the mobile app. Business owners also have access to all the same capabilities that employees have, such as tagging transactions, adding notes and uploading receipts for transactions using your smartphone camera.

    Q: How do I use Tags?

    A: Tags can help you get organized. Select the transaction you would like to tag. Then simply select a tag. Tags must be created by the business owner or an admin in the Bento account, and cannot be created in the mobile app at this time. When viewing “Transactions” in the web app, you can search for and filter on any existing tag.

    Q: How do I use Notes?

    A: On the “Transaction” screen, select the transaction where you would like to annotate a note, this will expand the transaction pane. Then select “Notes” to write a note.

    Q: What can employees do with the Bento mobile app?

    A: Employees can see their available balance and real-time transaction activity stream. Employees can also capture receipts using their smartphone’s camera, tag transactions and add custom notes.

    Q: How do I grant access to someone to view a utility card's available spend?

    A: Business owners and admins are not able to grant mobile app access to employees with utility cards. Only employee cards have mobile app access which is why an email address is required to be used as a username.

    Q: I found a bug, I want to make a feature request, or I want to provide feedback on the Bento mobile app. What should I do?

  • Adding your bank account is the nextstep in having full control and visibility over your business expenses! As Bento cards can only be used if you have an available balance in your Bento account, you'll need to link and verify a bank account in order to initiate a transfer.

    We offertwo different methodsfor connecting a funding source:

    Instant Account Verification

    This is the recommended method for linking and verifying your bank account.Start by searching for your bank or credit union, then selecting the financial institution with whichyou bank. You'll be prompted to enter your online login credentials for the selected bank or credit union.

    If you do not remember your online banking login credentials, try opening a new browser window and navigating directly to the login page for your financial institution. From there, you can request a password reset or additional account login assistance from your financial institution. Once you haveregained access to your online bank account, come back to Bento to enter in your banking credentials.

    Please be assured that the online banking credentials you enter through the Instant Account Verification method is protected by 256 bit Secure Socket Layer (SSL) encryption to keep your information safe and secure.

    Once you've successfully validated your online banking credentials, your funding source has been verified and you're all set to initiate your firsttransfer!

    Deposit Verification

    This method is available as an alternative if your bank or credit union is not currently supported through Instant Account Verification or you do not have online banking access with your bank or credit union. By selecting this method of bank account verification, you will be prompted to enter your bank accountrouting and account number. Please keep in mind that the account being linked must permit ACH debit transfers out of the account, otherwise any transfers initiated from this account will fail.

    Once you've entered in your bank account and routing numbers, 2 small deposits will be sent to this account within 1-2 business days. When you see these two deposits on your bank statement, come back here to Bento to enter the deposit amounts. If the deposit amounts are entered correctly, your bank account will then be verified and you'll be able to initiate your first fund transfer!

  • Bento Transfers are available with in 1-3 business days. When you navigate to your Manage Funds page directly under the add funds button you'll be able to see exactly when an initiated load will be available.

    Please be advised that fund loads may be delayed in the event of a bank holiday. Typically, the bank clears ACH transfers within 1-3 businesses days. However, if a bank holiday falls into this time frame, your request would take one extra day to process.

    For fastest fund loads we suggest you load funds on aMonday or Tuesday in order to ensure you have your funds by Wednesday or Thursday of the same week.

  • Once you have successfully connected your QuickBooks Online account to Bento, you can manually sync over your transactions at any time. This comes in handy for the following situations:

    If you chose to "manually sync" transactions during the setup process

    If you have transactions within 24 hours that have not auto-synced over yet that you need in QuickBooks right away

    To manually sync your transactions, simply go to the "Transactions" page and click the green "Sync" button. depending on the number of unsynced transactions, it could take either a couple of minutes or a couple of hours to fully update.

  • To mitigate risk, Bento has a maximumspend limit of $25,000/day per card.

    The primary account holder and Admins have additional control to set a lower limit, as well as enable spend category elections by setting the card spend controls. To learn more about setting up card spend controls, please see the article on Setting Up Spend Controls.

    There is a $500/day ATM and cash back limit on the primary account holder's card on each Bento for Business account.

    Employee and utility Bento cards do not have ATM or cash back access.

  • Completing a wire transfer of funds from your bank into your Bento for Business account is quick and easy. Your funds will be made available to you the same business day, or the next business day if it is received after banking hours (M-F 4PM Central Timeis the cut off time for wires to be received and processed same day). While there are stillnever any usage feesfor your Bento for Business account, your bank may charge you a fee for wire transfers.

    To make a wire transfer from your bank, you’ll need to provide your bank with some information that you can very easily find in yourBento account. Please note: your bank may charge a fee to send wire transfers.

    Instructions:

    1. Log in to your Bento for Business account

    2. Navigate to the "Funds" page

    3. Click the “Wire Transfer” icon

    4. Copy ALL of the information listed on that pop up

    It should look something like this, but with your specific account information.

    5. Contact your bank and provide them with ALL the information you copied in step 4

    6. Once the bankreceives and processes your deposit, your funds will be made available in your Bento available balance. This typically takes 2-3 business days

    Again, please note some of this information like yourAccount Number and Account Reference,will be specific to your account and needs to be copied correctly to complete your wire transfer successfully.

    Now you can take this information to your bank and let them know that you would like to wire funds to Bento for Business and they will initiate the transfer. Funds will typically be available for you within one business day. Please keep in mind that in the event of a bank holiday funds may be delayed as banks are closed.

    Funds must originate from bank accounts held in the name of the Bento customer. Transfers from vendors, customers or 3rd parties will be rejected. Funds will be posted to your account during business hours Monday to Friday (except Bank Holidays). Transfers must be made in US Dollars from a US Bank Account that is held in the exact same name of the business owner on the Bento account.

    We may return or refuse to accept the entire wire transfer or any part of a wire transfer at any time, and will not be liable to the Customer for doing so. Refused wire transfers will be returned to the account they were initiated from.

    Funding Your Account

    Once your application has been approved, you can link a bank accountto your Bento account. By linking a bank account, you can also set up Automatic Transfers via Bento Transfer.

    To instantly link a bank account, go to the Funds tab and click the "Add Funds" button in the upper left corner of the screen, or click "Click to connect a bank" under the Bento Transfer Icon. From there, you'll enter your online banking credentials to complete the verification process. Most major banking institutions support instant bank account verification. If your bank does not support instant bank account verification, you will need to use the Deposit Verification method.

    If you select Deposit Verification, enter your bank's routing number and account number tolink the account. 2 smalldeposits will be deposited into the linked bank account to verify that the account number you’ve entered is valid and associated with a bank account you can access.

    In about 1-2 business days, you'll see two small deposits in the account activity of the bank account you connected. Log back in to your Bento account to input the two deposit amounts into the fields in the “Verify Account” section on the Funds tab. If the two amounts you enter match the verification deposit amounts, your bank account will be successfully verifiedand from there, you can initiate a Bento Transfer.

    Creating and Adding Cards

    Once you’ve initiated your first deposit, the next step is creating Bento cards for your various employees, staff, and/or projects. On the Cards page, you have a few options-- you can:

    Order cards for employees/staff

    Order utility cards for general purpose, teams, or projects

    Utilitycards were designed to be used for a special need or a specific category or group of transactions, making it easy to later organize and reconcile expenses. For example, you can create a utilitycard called "Gas Card," which you’d use whenever you fill up at the gas pump. Transactions made on the "Gas Card" will automatically be organized on your Dashboard.

    If there are employees that need to make purchases on behalf of the business, Bento is the perfect tool. Bento eliminates the need for employees to submit expense reports and saves businesses time & money by cutting out the often tediousprocess of trying to chase down receipts and issue reimbursements.

    Order an employee Bento card for each of your employees-- you can proactivelyconfigure spend controlsfor each card, giving yourself peace of mind, and an easy way to track business spend. For each Bento employee card you order, you’ll be prompted to fill out details about the intended cardholder. A few fields are required for a card to be issued to a specific individual; the basic pieces of information we’ll ask for about the card holder are:

    Full name

    Date of birth

    Phone number

    Email address* (optional)

    * Email address is required if you wish to grant your employees access to the Bento Mobile App.

    Bento cards are printed and delivered to your business address within 7-10 business days. Once you receive the Bento cards in the mail, the card may be activated by the cardholder by calling (866) 220-8455 or by the primary account holder by visiting https://www.bentoforbusiness.com/activate.Each cardholder will need to provide personal information in order for their identity to be verified.

    Adding Admins

    Lastly, you can add Admins to the Bento account. Admins can be granted specific permissions to view and/or manage certain aspects of the Bento account. This option is fitting for someone that helps you manage your business operations and expenses, like an assistant, accountant, or bookkeeper. Admins can optionally be issued a Bento card at no additional cost.

    To use this feature, you must send the SMS text from the primary account holder’s phone number that is linked to the Bento account.

  • Once a funding source has been linked and verified, you can deposit funds into your Bento account at any time.

    To complete a Bento Transfer, simply enter the amount you’d like to transfer into your Bento account on the Manage Funds page, and click the “Add Funds” button. This will initiate a Bento Transfer from your connected bank account into your Bento account.

    Bank Transfer

    Wire Transfer

    Transfers initiated by you via your bank's wire transfer service. Your bank may offer this option through their website, phone, and/or in-branch services. Available same or next business day and unlimited transfer amount allowed.

    Bento does not charge any fees for transferring funds in to your Bento account but your financial institution may. Please check with your financial institutionfor their transfer fee schedule.

    Employee Cards

    Employee cards are assigned to specific individuals and require information such as employee name, email, birthdate, and phone number to create. Employee cardholders are able to activate their own cards, set a PIN, and login to the web app and mobile app. Only employee cards allows the cardholder to upload a receipt, check their spend balance and activity, and see the card controls set on their card.

    Utility Cards

    Utility cards are usually assigned to specific needs of a business such as office supplies, fuel, catering, and other general expenses. These cards do not require an employee name, birthdate, email address, or phone number but the card does require a nickname/general name. Utility cards to not have web app or mobile login access, and thus utility card cardholders cannot upload receipts.

  • Bento for Business is providing another way to improve your account security and reduce fraud through our 2-Factor Authentication. Bento's 2-Factor verification for all business owner, admin, and employee accounts allows for a streamlined experience, simply with access to your Bento login email. This feature is available for both mobile & browser versions of Bento for Business.

    1) Upon your next login attempt, you may be prompted to 2-Factor Verification.

    2)A 6-digit verification code will be sent to the email address associated with your Bento login.

    3) If you are logging in via a regularly-used, trusted device, check "Remember this device" to avoid further 2-Factor verification prompts.If you are using a public device to login, please do not check the box.

    4)Find the verification code from your email & enter it to login.

    Troubleshooting:

    1) Cannot Find Verification Code Email:

    Check your spam folder

    Ensure you have not unsubscribed from Bento for Business emails

    If you believe you have been incorrectly unsubscribed, please reach out to our customer support line at the phone number listed below.

    Check to ensure your corporate email server is accepting emails from Bento

    If you believe your server is configured correctly, click "Resend Code" to receive another email with a new code

    Otherwise, please reach out to our customer support line at the phone number listed below

    2) Verification Code Invalid:

    Each verification code is only valid for 15 minutes. Afterwards, click "Resend Code" to receive another email with a new code

    You may also choose to login again, and a new code will be emailed to you

    If multiple codes have been sent, only the most recently received/sent code is valid, assuming it has not expired after 15 minutes.

    Mobile App Users:Before entering your verification code in the app, please make sure your mobile app is updated to the latest version in your app store. Once you have the new app installed, you may use the code to complete the verification process.

    If the activity wasn't you

    To protect your account right away, respond to the notification.

    Step 1: Help secure your account right away

    On the notification, review the sign-in details, including device type, time, and location.

  • Admins can have access to all controls in your account, including adding funds, adding or removing cards, and changing controls on cards.

    You have the option to create a card for an Adminat the time of adding that Adminto your account.

    When adding an Admin, you will see a check box marked as “Issue this Admin a card (optional).” By checking this box and saving the new Admin information, a card for this Admin will appear on the Manage Cards page as an employee card.

    Important things to note

    If an Admin is deleted, the card for the Admin will also be deleted. If only the card for the admin is deleted, you are not able to go back to the Admin settings to re-add the card. You will need to delete the Admin and go through the process of creating that Admin again.

  • Managing Admins

    Bento Admins can monitor the account and make changes as needed through the Bento mobile appdependent on their Admin Permissions setting.

    Custom permissions can be set for each Admin, allowing them a range of full access to all areas of your Bento account torestricted access to view only certain sections or with no access at all. To edit these permissions, go to the "Manage" dialogue and select "Edit".

    If you would like to completely remove access from an Admin, go to the "Manage" dialogue and select "Delete." This will remove their ability to log in as well as cancel their card.

    Adding Admins

    To add a Bento Admin, go to the "Admins" page, and click on the "Add an Admin" button.You will need to provide their first and last name, their date of birth, their email and phone number. You will also have the option to add a free card for the new Admin.

    Bento Admins can have full access to your Bento account and can see all transactions and control spending restrictions on cards. Additionally, Bento Admins can deposit funds, edit the linked bank account, order cards, and handle every single detail of your Bento account.

    Account access and permissions forBento Admins can be changed anytime by editing Admin Permissions.

  • Bento gives businesses complete control over the cards in real time.

    The Owner and Admin(s) can set limits on each individual employee or utility card in real time.

    You can proactively set spending limits and spend categories, as well as set limits around where and when the cards can be used.

    You can even turn a card off or on at the click of a button.

    To adjust a card’s spend controls, navigate to the Cards tab. On this page you can view all of the cards on your account. To edit the categories allowed, the days of the week the cards are on, each card's individual spend limit, how much is available to spend on each card, and when the spend limits will reset, click the "Manage" dialogue next to the card, and select "Card Controls."

    The Card Controls page reveal the granular spend controls Bento offers:

    Enter a spend limit per period of time (e.g. day, week, month) or a custom "available until" date.

    Choose days of the week for when the card can be used, perfect for known expenses that occur on particular days

    Select categories for merchants types at which the card can be used

    Choose whether to allow international transactions

    Allow or prohibit "Card Not Present" transactions, meaning transactions that don't require a card to be inserted or swiped into a physical card reader

    Hit “Save” to apply your spend control elections for the card.As soon as the controls are updated, the changes will take affect immediately.

    The On/Off switch for each card allows you to temporarily suspend use of the card. When the switch is turned to “Off,” the card cannot be used.   • By default, all new cards created after August, 2019 will have an international transaction restriction turned on so only transactions in U.S. dollars are accepted.

    This card control protects you from fraudulent international transactions, but can be turned off as needed.

  • Flexibility. Security. Simplicity. Make B2B payments to a contractor or vendor without a check. Bento Pay allows users to send payments using only the payee’s email address, thus alleviating security and privacy concerns.

    Payees receive an email through which they choose to receive funds via a one-time use virtual card or an ACH transfer.

    To make a payment, select Bento Pay on the Payments tab.Then you will be asked to create a new payee or select an existing payee and the associated details for a Bento Pay payment to be sent.

    After your payment has been sent, you can view your initiated payment details on the Payments tab. The payment activity will also be displayed on the Transactions tab.

    Payees receiving Bento Pay payments have 30 days to accept the payment, after which the payment expires and the funds return back to your Bento account balance.

    By default, only the Business Owner can send and manage Payments, while all Admins may only view this section. If you would like an Admin to have full access to use Payments, you may edit their account permission setting under the Admins tab in your account.

    Dispute Due to Discrepancy or Questions About a Transaction

    Often times, disputed charges are legitimate charges that customers may not recognize or remember. If you discover a posted transaction that may be incorrect or if you're unsure about a specific transaction, we recommend attempting to resolve the issue directly with the merchant before filing a dispute.

    If you aren’t able to resolve your dispute with the merchant, you can file a dispute by contacting us (see Contact Info below).A customer care representative will help you through the process, andVisa will research the dispute on your behalf and contact you with the results of our investigation.

    Dispute Filing Process

    Note:You must provide a completed dispute form no later than sixty (60) days the transaction is posted to the Account.

    In case of a discrepancy or questions about card transaction(s), you will need to tell us:

    Cardholder’s name, Account number and/or the 16-digit Card number.

    A description of the transaction(s) including the date and dollar amount.

    Grounds for the discrepancy.

    If this information is provided orally, we may require that the details listed above be provided in writing within sixty (60) calendar days after the transaction(s) is posted. Customer agrees to cooperate fully with our investigation and to provide any additional information or documentation we may need for the claim.

    Once we have the required details, information, and/or documents, we will determine whether a discrepancy occurred. If we ask you to put details in writing and they are not provided within sixty (60) calendar days of the date we posted the transaction(s) under review, we may not be able to resolve the claim in your favor.

    We will notify you of the results in writing after completing our investigation.If we determine a discrepancy occurred, we will correct the discrepancy promptly and credit the Account.   • Once you have successfully connected your QuickBooks Online account to Bento all transactions will be mapped over to QuickBooks under the "Bento Uncategorized Expense" mapping.

    However, if you have different accounts you already set up in your QuickBooks Online account that you would like to map specific type of merchant transactions to, you can do this as well.

    To set Custom Mappings, you will first want to click the green "Settings" button on the right-hand side of the "Transactions" page of your Bento account.

    For example, if you wanted to map all gas station transactions for your Bento account to automatically map to a "Travel" account you already have setup in your chart of accounts in QuickBooks Online.

    Click "+Add custom mapping" > On the left, select the merchant type you want to have custom mapping > On the right, select the account synced over from your QuickBooks Online account you want the transactions mapped to > Save

    Please note: available accounts are based upon the currents accounts set up in your QuickBooks Online account

    After doing this, all future transactions will automatically be mapped toyour Chart of Accounts with theaccount you have selected.

  • Business owners and admins with access are able to invite their employee cardholders to access both the mobile app and website by simply adding an email address for that employee from the "Cards" page by clicking "Manage" dialogue next to the desired card and selecting "Cardholder Info":

    Once the employee is invited to use the mobile app, an email will be sent to invite the employee to set a password for the mobile app/web access and to download the mobile app.

    After the employee cardholder has successfully logged in, the mobile app will open to Dashboard with "My Card" and "Transactions" tabs at the top as options to view. Please note: Transactions will only appear once a transaction is made:

    The My Cardtab displays the cardholder's card status (as On or Off), available spend, days the card is active, and allowed spend categories. The employee does NOT have access to edit any of the card controls.

    The Transactions tab displays transactions made on the employee card, in order of most recent. The employee is able to add notes, select tags, and upload receipts to transactions by pressing the specific transaction to view its details.

  • Sorry to hear you've hit a speed bump while using your Bento card. If your card isn't working or was declined when you tried to complete a transaction, there are a handful of reasons this could have happened:

    Your card has not yet been activated: Your Bento card needs to be activated before it can be used. For instructions on how to activate your card, please see Activating Your Bento Card. Once your Bento card has been activated, you’ll immediately be able to start using it.

    Transaction total is over your spend limit: Since a spend limit can be set for each card, if a cardholder attempts a transaction that is over the set limit on the card, the transaction will be declined. Spend limits can be adjusted online by the business owner or an administrator on the Card Controls for the card.

    Merchant is not in an approved spend category: Business owners and Admins can specify allowed spend categories for a card. If a card is used at a merchant that falls outside of an approved spend category, the transaction will be declined. Spend categories can be set online by the business owner or administrator from the Card Controls for the card on the Cards page. To learn more about declines due to spend category limits, please see Spend Categories.

    Not enough funds in the account: If the transaction total exceeds the account balance at the time of the transaction, the purchase will be declined. When this happens, the business owner will be alerted that the funds in the account are low. If you’re an employee, we recommend also reaching out to your employer if this occurs.

    Card has been suspended: The business owner and Admins has the ability to temporarily turn Off and On the card manually or by setting day of the week limits for when the card can be used. If the card has been turned Off, it is considered deactivated, and any transactions attempted on the card will be declined. Please have the business owner log into their Bento account to check if the card has been turned Off or if any day of the week limits have been set.

    Card has been demagnetized: If nothing happens when your Bento card is swiped, it’s likely that the card has been demagnetized. Give us a call and we’ll send you a replacement, free of charge.

    Incorrect Billing Address: When making online purchases, please make sure that the billing information matches your shipping address as it appears on your Bento Account Settings page. It is important that the street address and zip-code match or the transaction will be declined.

  • When using your Bento for Business Visa Debit Card,you may select either Debit or Credit as an option. When you select Credit, there is no need to enter a PIN to complete the transaction. However, if you do want to set a PIN, you can do so by calling the number on the back of the card (855-547-2896) and following the recorded voice prompts.Your PIN can also be changed at any time by calling the same number.

    Please Note:If you are an employee using an employee card, you will need to verify your phone number and date of birth. If you are using a utility card, this will require the Business Owner's personal information in order to set a PIN.

  • Bento cards can be activated by business owners, admins, and employees.

    If you are the business owner or an admin, you can activate any Bento card (Employee or Utility) on your account. We recommend doing so online, which takes only a few seconds.

    There are two ways to activate your card:

    Online (fastest and recommended)

    Go to the "Manage Cards" tab, find the name of the card you'd like to activate, and enter in the last for digits of the card. Click "Activate" Your card is now ready to use!

  • Negative balances can occur when a transaction posts to your account, but the settled amount is greater than your available Bento account balance.

    Normally, if a merchant preauthorizes a transaction for an amount greater than the Bento account balance, the Bento card will generally be declined. However, in rare circumstances, a merchant may process a transaction without prior authorization, or more commonly, a settled amount ends up being greater than the pre-authorized amount, and there is not enough available balance in your Bento account at the time the transaction is posted.

    If this occurs, your account balance will fall into a negative number, and you may be notified to deposit more funds into your Bento account, but you will not be charged an overdraft fee.

    For example, say you have $100 available in your Bento account balance, and you ring up a $100 dinner bill. Your card is pre-authorized for $100 but since you received fantastic service, you decide to leave a $50 tip. When the restaurant transaction settles, the posted amount is actually $150. Since you only had a $100 balance, your balance would become negative (-$50)

    While this does not happen often, it is important to keep track of your balance and transfer funds as needed. To help track your balance, the Bento account holder can opt to receive alerts when the balance in the account falls below a certain threshold.

    Unresolved negative balances that remain on an account for over 10 business days are subject to account termination and further legal remedies may be pursued.

  • Custom permissions can now be set for each Admin. If you are the primary Bento account holder or an Admin that has already been granted "Full Access" to the Manage Admins section, you can customize permissions for newly created Admins as well as any existing Admins.

    Permissions can be changed at any time and take effect immediately as soon as changes to permissions are saved.

    Your payment activity will also be available to see on the Payments tab and Transactions tab. To see a payment's details, click the “Manage” dropdown on the payment transaction. From there, you can choose to send another payment or cancel the pending payment as long as you are within the 2 hour cancelation window.

  • Automatic Deposits is a feature that allows you to schedule deposits to your Bento account. There are two different types of Automatic Deposits:

    Periodic Reload

    Schedule reloads to your Bento account at a chosen frequency

    Go your Funds page and click "Scheduled Reloads" in the left navigation menu. Enter the desired deposit amount, which should be between $10 and $10,000. You can then choose the frequency of the reloads; you can choose to deposit funds on a monthly, weekly, or daily basis. Click "Save" to start using Scheduled Reload. If you want to pause or turn it off at any time, just switch the On/Off button to Off.

    Low-Balance Reload

    Schedule reloads to your Bento account when your available balance dips under a set amount

    Go your Funds page and click "Low-balance Reload" in the left navigation menu.

    Type in the amount you want to load in the "Reload my account with" section, and the trigger amount in the "When my balance is less than" section. Then click "Save" to turn on Low-Balance Reload. If you want to pause or turn it off at any time, just switch the On/Off button to Off.

    If your balance is below the low-balance threshold at the time you turn it on, upon saving your Low-balance Reload, you will be prompted to confirm that you wish to initiate a fundload to bring your Available to Spendabove the set low-balance threshold. If a load is already in process, that load amount will be taken into consideration before the low-balance reload is initiated.

    For example, if a $1000.00 load is already PROCESSING, the $1000.00 will be calculated within the Available to Spend when the system determines if the low-balance threshold has been crossed.

  • If your payee declines a payment, they will be prompted to note a reason for the decline, and you will be notified via email with the reason and through a status update in the “Payment Details” section.

    When you cancel a payment, you will be notified via email and through a status update in the “Payment Details” section. Your payee will also be notified via email that you canceled the payment.

    If your Bento payment is not accepted within 30 days andexpires, or the Payee does not redeem the full value of the one-time use virtual payment card in one transaction, then the remaining value will be returned to your Bento balance.     Clicking through this email will take you to a secure landing page where you will have the option of accepting or declining the payment.

    Once payment is accepted, you will be given the option to accept payment as either a Bento Pay - One-Time Use Virtual Card or a Bento Pay - Bank Transfer using your banking information.

  • Bento Pay one-time use Virtual Card allows you to accept a payment without providing any banking information.It is important to note that this card information is only good for a SINGLE transaction, and is intended to be run on your own point-of-sale system. If there is a remaining balance on the card following the first use, that balance will be RETURNED to the Bento user who paid you.

    To select this option, select the Bento Pay one-time use virtual card option after accepting your payment.

    Once you have chosenBento Pay one-time use virtual card, you will be provided with the card information which you are then able to run like any other Visa card on your point-of-sale machine, but will only function for a SINGLE transaction.

    If you have an issue with this payment, or fail to redeem the entire payment value, please contact the Bento user so they can reissue the payment. Bento for Business is not able to reissue payments on a user's behalf.

  • The updated Payments tab will allow a Bento users to initiate a Bento Pay or a Direct ACH Payment.

    Bento Pay lets the business initiate a payment to a Payee’s email address. An email notification will allow the Payee to select a payment method: a one-time use Visa virtual card or a bank transfer.

    Direct ACH Payment allows the Bento user to directly pay a vendor, contractor, or invoice, etc. simply with the Payee’s bank routing and account numbers.

  • Bento has created a flexible and streamlined way to view your business transactions. Outlined below are the various ways that transactions can be filtered in Bento:

    Filtering by date - Looking for a particular transaction that took place between certain dates? Select the quick date filter buttons on the left of the Transactions page to view transactions that took place in the past week, month, or year. You can also choose a custom start date and an end date from the calendar selector.

    Filtering by transaction type- there are a couple transaction types that can occur, and the transaction filters provided give you the quick access to find the transactions you're looking for. Settled transactions are transactions that are complete, and the amounts of those transactions are final. Pending transactions are transactions that have been authorized for that amount, but the amount of the transaction may change once it is settled (e.g. restaurant bills where tip is later added). Declines are transactions that were unsuccessful, so no money movement has occurred, but it may be interesting to see where your employees are trying to spend money. Deposits are completed transfers that you've initiated into Bento.

    Filtering by card - On the Transactions page, choose a card from the "Cards" filtermenu. You can also filter from the main dashboard by clicking on the categorized bar next to the card name. This will give you a filtered view of that card's transactions by category.

    Filtering by tag -Search tagged transactions by selecting a tag from the tag dropdown. You can also filter by multiple tags by simply selecting the desired tags from the dropdown list or using the 'Select All' option. Note that you must have already tagged transactions to be able to filter by tag. Tags can be created and managed using the Tag Manager listed under the Account icon in the upper right corner of your browser. For more information on tags, please see this article on Tags.

    Filtering by category - Filtering by category allows you to locate transactions made in a certain spend category. For example, during tax time, you may need to know how much you've spent on transportation. With the spend category filter, now you can easily track down these expenses. You can filter by category on the Transactions page where you can select "Categories" from the Filters dropdown menu.

    Filtering with Search - The search bar at the top of the Transactions page allows you to search all your transactions that match your search query. Any match made in a transaction's merchant name, tag, or card user will display as a result.

    Filtering by Payment - Bento Payments are also listed in the Transactions page, and a filter allows you to search all payments issued, including those that have been settled, pending, or cancelled.

  • You can export multiple receipts at once using bulk receipt management. Navigate to receipts from the Transactions tab by clicking "Export" on the left of the screen.

    From there you can select "Bulk Receipts."

    The receipts will be available to download as a zip file, which will be emailed to you. This process may take several minutes.Note that the maximum amount of receipts you can export at a time is 200.

  • A department is a group of Bento cards with a department lead assigned by an admin or business owner. This makes it easier to categorize all cards and delegate more control to employees who can help with day-to-day management of expenses.

    Admins and business owners can assign an employee (must have an employee card) as department lead who can manage (or only view) the cards and transactions under their department. At any time, new or existing cards can be added to any department or left unassigned.

    Full-access admins and business owners still retain full control over all aspects of the account, including departments. Department leads with full-access also have authority to add cards to their department.

    For example, if you wantyour marketing manager to be responsible for all Bento cards used for marketing spend, simply create a marketing department and designate her as a full-access department lead. Now, upon logging in, she will be able to control all the marketing-related Bento cards you've added to this department, as well as manage transactions and add or remove any card.At any time, you can change her access from “full” to “view only”, so that she’s able to use the cards and generate reports but not edit any controls.

    Creating Departments:

    To create a new department, click on the account icon in the upper right corner of your screen for the dropdown menu and select "Department Settings". Once on the Department Settings page, type the name of the department first, and then press the "Create" button. You can also update the name of any existing department:

    Assigning Cards to Departments:

    When you create a new card or edit an existing card in the Cards tab, there will be an option to select which department this card belongs to. You can also create a new department here (see image below). You can always come back and change this information for any card.

    Please note: Each card can only belong to one department.

    Assigning Department Lead:

    Assigning a department lead is optional but recommended since it's what makes this feature useful and delegates control to more of the staff and control their access. In the card's settings, to the right of the assigned department, toggle the "Department Lead" button to ON.

    Please note:There can only be one department lead for each department. Only employees with employee cards can become department leads.

    Managing Transactions and Cards byDepartments:

    Business owners and admins with permission access are able to filter and export their transactions by departments. Simply navigate to the Transactions page and toggling the Filter options on the left side of the screen:
