    Note: All changes to the submission form will be reflected in this report.

    How do I change the page title displayed in your browser?

    Answer:

    As an Administrator, log into the Design Tab (Setup > Site > Design) and enable widget setup mode.

    Navigate to the page(s) for which you would like the browser title bar changed and add a "Text/HTML" widget.

    Please click the blue pencil icon in the top right corner of the widget you just added to edit the contents (you must hover over the widget "Title" to view this icon).

    Paste the following code into the "Body" section, and change the text in italics to your desired text:

    Here are all the updates and improvements we made:

    Submission Form

    An issue with special characters was fixed in the Submission Form.

    View Idea

    The Pipeline Stage and Step data can now be displayed in Idea Details widget!

    This can be configured in the Site Setup > Ideas tab (Stage and Step details are also editable)

    Idea Boards

    An issue was fixed that would show the Private Message button on Idea Boards when the option was disabled.

    New behavior with the Filter tab has been applied! When viewing an Idea Board for the first time, the filter will be toggled as visible, but if the filter is hidden, then this state will remain constant when Users return to this screen.

    This also applies to any filters that have been chosen!

    Search Functionality

    A permissions issue was fixed for End-Users attempting to search for Initiatives they do not have access to.

    Pipeline Management

    An issue was fixed for Action Items that were not sending for a specific affiliate. This was resolved by our Engineering team.

    The User Activity Export has been updated! The "Last Login" column has been updated to "Last Visit" and now tracks when a User last visited.

    The Action Item Reminder email button within Step Manager screen has been fixed.

    System Admin Tools

    An issue with data loading on Action Item pages was resolved.

    An Invite Email for a specific affiliate was not populating dynamic fields correctly. This was fixed by our Engineering team.

    Action Items Assignees will now be able to edit Linked Submissions from the Action Items view.

    Here are all the updates and improvements we made:

    View Idea

    The History tab has been updated to reflect the timezone that is set within General Settings (previously this was hardcoded to UTC).

    A permissions issue was fixed for Moderators that wanted to hide their comments on View Idea pages.

    A permissions issue was fixed for Submission Team members and editing Submissions.

    If a Development question is using the User Select field, then this would display incorrectly once answered. This has been fixed by our Engineering team.

    User Profile

    A design issue was fixed when deleting/adding multiple Expertise onto the User Profile page.

    Pipeline Management

    The Email Template for Gig App "User Applies to Join Team" was removed from many affiliates. This was applied back onto all systems by our Engineering team.

    The logic for Submissions Added to Step rule trigger has been updated. If a Submission moves from one Pipeline to another, the Added to Step Rule will trigger.

    An interface issue was fixed within Development Step Category Assignees.

    An alignment issue was fixed for Scorecard and Single-Score columns.

    An issue was fixed when deleting a specific Step.

    Submission Form

    If Submission named included an accent character, then this name would display incorrectly on the Submission Form. This was fixed by our Engineering team.

    An interface issue was fixed when making edits to Submission Form questions.

    Dependent questions were having issues staying connected to their Assigned questions. This was fixed by our Engineering team.

    A dependent answer for a specific Submission Form was fixed.

    System Admin Tools

    Submission Team has been added as a column to Submission Exports and Pipeline List view.

    Linked Submissions has been added as a column to Submission Exports and Pipeline List view

    Character limits have been introduced for Initiative name and URL

    The maximum number of Business Impact type fields has been updated from 20 to 50.

    Idea Status Change Export was updated to show Initiatives.

    A duplication error was fixed for a specific Pipeline.

    Blog

    A permissions issue was updated for all End Users viewing Blog pages/widgets from initiatives that they do not have access to.

    Enterprise Pages

    Selecting a tag from the Enterprise Idea Tag widget now navigates to the Enterprise Idea Boards page, filtered by tag

  • Ripple Effects of Specific Actions Taken in Pipeline

    Question 1:

    When a Manager moves idea(s) from Step A into Step B after action items were triggered from Step A, what happens to the action items that were originally assigned?

    Answer:

    The action item(s) triggered from Step A will still exist, as well as action items for Step B, even if it is for the same idea(s).

    Question 2:

    What if a Manager moves ideas from step A to step B, then moves ideas back to step A, does it trigger the same action item again to the same people?

    Answer:

    Nothing will be duplicated, the system will recognize that action item has already been triggered and nothing more will occur.

    Question 3:

    What if a Manager sets up a step with evaluators, move ideas into step and then change evaluators after assignment - What happens to the action items assigned to the original evaluators?

    Answer:

    The step will cancel and remove the previous evaluator(s) and trigger new action items to the new evaluator(s).

    Question 4:

    What if a Manager changes the Pipeline for the idea, what happens to the action items that were originally triggered from the first pipeline?

    Answer:

    The step will cancel any action items associated with any ideas moved to another Pipeline.

    Question 5:

    What if the Manager configures a Scorecard template & evaluators, drag ideas in, triggers action items, but then Pipeline Manager changes the template?What ifone or more users complete their AI with that template, And then manager changes the template?

    Answer:

    If the evaluator has not filled out the evaluation, the newly updated template will be used in their triggered action item.

    If the evaluator HAS filled out the evaluation, prior to the template change, those action items completion data is removed and the newly chosen template will trigger new action items to all evaluators with the new templates.

    Question 6:

    What if a Manager has steps: A, B, & C, in that order. The Manager then advances ideas from Step A to Step B. The Manager then moves Step C after Step A - now the order is A, C, & B. Does the system move the ideas that were advanced to Step B to Step C? Or do they stay in Step A?

    Answer:

    All ideas will stay in their designated steps. The system does not read the steps linear the entire time - therefore if the above situation happened, all ideas would stay in their respective steps.

    Question 7:

    If a Manager deletes an idea, do all action items triggered from those idea(s) get canceled?

    Answer:

    Yes, all data gets removed and can't be reversed!

    Question 8:

    If a Manager deletes a Pipeline, do all action items triggered from that Pipeline get canceled?

    Answer:

    Yes, all ideas and action items are deleted and cannot be recovered.

    Question 9:

    Do In-Product notifications get cleared out when action items are canceled?

    Answer:

    Yes, after cancelling action items, the notifications will clear out after refresh.

    Question 10:

    For team-submitted ideas, do all team members get respective notifications, emails, and action items?

    Answer:

    All email notifications and notifications will be sent to the main submitter and not the supplementary team members. Please review all details on how Team Submission is designed.

    Question 11:

    How do anonymously submitted ideas get handled with the New Brightidea?

    Answer:

    As long as the third option is checked for Anonymous Submission, all ideas will protect anonymity.

    Otherwise, all user names will be visible to administrators & Challenge Managers in Pipelines.

    Getting Started

    To quickly recap on how to create your Solve challenge,navigate to your Apps screen, and select theSolveapp.

    Once there, select 'Set Up Solve Challenge'

    Fill out your title, description, audience to complete the wizard.

    Selecting a Great Topic

    PRE-SCREEN

    Challenge Sponsors will reach out to you for a broad range of issues. Encourage your Sponsors to select Solve Challenge Topics that will result in an actionable solution. Start by screening out topics that are too broad or cannot be implemented in the near-term.

    The Right Problem -A Solve Challenge is meant to tackle a black-and-white problem where, once the right solution is applied, the problem is resolved once and for all. Solve Challenges are NOT about continual, incremental improvement, where you might slowly chip away at a problem over time.

    Ability to Execute -For the given topic, ensure that the Sponsor has budget to support the expected cost of implementing the solution. Ideally, Sponsors should plan for solution implementation costs at the onset of the budget planning cycle.

    TOPIC SELECTION CRITERIA

    The following criteria will separate a great Solve Challenge topic from a good Solve Challenge topic. Work with your Challenge Sponsor to evaluate potential topics against these criteria to select the topic that will result in a solution with the highest potential outcomes.

    Strategic Alignment -The best topics are aligned with the underlying strategic goals of the organization.

    Topic Definition - The topic should be focused and clear; the audience must understand exactly what the Sponsor needs help with.

    Audience Engagement - Choose a topic that is interesting to the target audience, to drive widespread and deep engagement.

    Audience Expertise- The best topics leverage untapped audience expertise that already exists within the organization; there should be a high likelihood that someone, somewhere within the company, has the capability to come up with a solution.

    Crowdsource Benefit - The topic should be challenging enough such that it cannot be solved simply by getting a few local teammates together in a room. The best solution can be found by leveraging the abilities and perspectives across departmental, functional, and geographical boundaries.

    Solution Value -The opportunity (net of implementation costs) should have a projected value greater than $250k.

    ACCESS

    When setting upa Solve challenge, you can selectuser groups withparticipants who will be able to contribute to your topic. Users given general access will be able to seethe challenge onceit launches, while those given early access can see it before launch. During the challenge creation process, you can select users and groupsforeach access type.

    If a desired group does not exist, users can be imported intoa new group that will have access to the challenge.

    To import,upload a completed template with all users intended to be in the group, and choose a group name.

    New accounts are created for users that do not have an existing one.

    *UPDATED* Responsive/Challenge Brief Home Page

    Once you create your new Solve challenge, you will be brought to your newly updated Challenge brief home page!

    This new design includes a modern design layout, easier editing, and mobile responsiveness out of the box!

    A Visual Check-In feature displays the most recent users who have checked in to the challenge site (had an initial view of the challenge site) with the highest affinity rank to the user.

    A Challenge Brief Q&A section allows users to provide feedback on the effectiveness of the challenge brief.

    Users can ask questions and make comments on the challenge brief and give a thumbs up/down on whether it was clear.

    This new page makes it easier to add in images and text to help break down and explain the problem you are trying to solve.

    The new Challenge Brief page takes information from the Solve Setup Wizard including Title, Description, Challenge Sponsor, and challenge dates.

    Every new challenge brief will come with stock information and imagery to help you shape your own challenge topic.

    Going forward, all default Solve challenges will come with the new default design, If however, you feel you wish to revert back to the previous Solve default design - navigate toSite Setup > Site > Components.

    Navigate to "After Login Page" dropdown and select "Home Page" to revert:

    Important things to note about the Challenge Brief Home Page :

    The home page does not support any standard widgets.

    The home page does not support public initiative settings, users must be authenticated before they can view the page!

    The overall page layout and design is not editable, however, the content within the Rich Text areas can be edited as required.

    The rich text widgets on the page will not automatically update based on site configuration and must be updated manually.

    Pipeline Steps View

    After successfully creating your Solve challenge,you will see that it comes with preconfigured stages and steps.

    To navigate there, select Admin > Manage Pipeline

    The Solve App comes with the following out of the box preconfigured stages and steps:

    As potential solutions are submitted by participants, they are automatically added into this first step.

    This step comes pre-configured as a "Single Scale" tool type. Single scale action items are sent to evaluators to quickly rate.

    After all evaluations have been completed, move the top rated submissions to the following step.

    Evaluate Potential Solutions

    This step comes pre-configured as a "Scorecard" tool type.

    As potential solutions are added to this step, evaluation scorecard action items are triggered to evaluators to assess the potential impact and feasibility.

    Prepare for Handoff

    Any solutions that are added to this step have been selected for implementation. The challenge is now complete!

    There is no configured tool type for this step.

    The selected solution(s) should be announced and the Sponsor Survey should be sent to the sponsor to determine whether the challenge was successful or not.

    The solutions will remain in this step until the implementing team begins work on the project.

    Implementation

    Monitor Project

    All projects in this step are currently being implemented, and are monitored by the Sponsor and innovation team.

    There is no configured tool type for this step.

    Solution Applied

    Track Business Impact

    Once the solution is applied, the innovation team (in partnership with the Sponsors team) track the qualitative and quantitative impact.

    Challenge Feedback Survey

    After completingyour Solve challenge, send a survey to your Challenge Sponsor to build your track record and uncover ways to improve.

    To get started, navigate to your Solve Challenge Pipeline menu, and select 'Feedback Survey'

    Once there, select 'Send Survey' to compose your email to your Sponsor. Here, you can add in any further text or dynamic fields to send to your Sponsor.

    Onceall set, select 'Send Survey'

    The Sponsor will then receive an email with a link to the survey.

    Note! The survey is responsive for mobile devices!

    The Sponsor will receive a survey much like the below:

    Oncethe Sponsor completes the survey, all Site administrators will be notified to navigate back to the "Feedback Survey"to view the results.

  • The easiest way to contact Brightidea support is through their Support portal ( https://support.brightidea.com/hc/en-us ).

    First, make sure you are logged in by clicking on the Sign In button on the Support Portal, or by making sure you are logged into your affiliate.

    Once, you are logged in, you can scroll down to the bottom of the Portal Homepage, and select SUBMIT A REQUEST

    From here, this will take you to our Form that allows you to create a ticket on your experience

    Please be as detailed as possible when filling out the form. The more information you provide, the quicker we can troubleshoot your issues.

    Fields that are available -

    CC: Add any email of people you would like to copy to the email thread. They will get an email for every exchange that is sent.

    Subject Title: This should be a few words describing the issue at hand. This is also the Title of the email.

    Description: This is the body of the email and should include all details and information related to the issue/request.

    Priority: Let us know the urgency of your issue. If your issue is preventing you from completing what you need done, it will be sorted at a higher priority over an issue that is minor.

    Allow access to your Brightidea site to better serve you?: If you are concerned about exposing sensitive data to our Support team, please mark this as "No" so that we do not access any pages in your platform.

    Ticket Type?: Let us know if you have a question on how something works or if there is a potential bug/gap in the platform.

    System info: Providing the details on the browser you are using and the version lets us know where the conflict may occur.

    Affected URL: This allows us to quickly access the exact page you may be seeing an issue. If this is filled in, it quickly tells us to check this page first for the issue.

    Attachments: Screenshots of your issue are very helpful for our Support team as well. Our Support team will only have the information that you provide to them, so the more details, the better!

  • What is the Single Scale tool for?

    The Single Scale step is intended to allows Pipeline Managers / Administrators to engage their subject matter experts earlier on in the idea selection process. The assigners can receive really quick and impactful numeric ratings on ideas being considered for selection / handoff.

    This allows for evaluations of ideas based on number scale system (e.g. 1 -7). This allows idea evaluators to quickly and efficiently go through an assigned list of ideas and provide their feedback instantly.

    When a Single Scale action item is triggered, the evaluator / screener can provide any of the following:

    Review all components of the idea (attachments, votes, comments, any additional information) to provide a numeric rating on an idea

    Provide feedback and/or ask questions through comments (to both idea submitters and/or fellow screeners)

    Configure the Single Scale Tool:

    To get started with 'Single Scale' tool, navigate to Step EllipsisMenu --> Configure Single Scale:

    In the Single Scale configuration section, the Pipeline Manager / Administrator will need to set the following parameters:

    Evaluators:

    Note:There can be a maximum of 180 evaluators per step

    Note:There is a limit of 30 evaluators per category with 180 total for the step

    Individual Assignment:Any user configured as an Evaluator will automatically be assigned an Action Item for every new Submission.

    Category Assignment: Action Items are triggered only for Evaluators that have been assigned to a specific Category.

    Due Date:The Manager / Administrator can set the due date dynamically from date assigned or manually select a date if needed.

    Idea Editing:Assignees who are not already administrators will be able to edit some idea attributes such as idea title, description and category.

    Action Items:Cancel open action items when submission moves out of Step.

    Send Email Alert: Allows the assigner to enable or disable the email alert on assignment.

    Basic Settings:

    The user has to option to configure more parameters in Advanced Settings

    Advanced Settings:

    Immediately:An email alert will be sent Immediately to each Assignee when a new Action Item is assigned.

    Daily: An email alert will be sent to each Assignee when the first Action Item is assigned. Subsequent email alerts will be sent Daily.

    Daily emails will include any Action Items assigned from the previous day

    Daily, Assignees will receive a single email alert for new Action Items for that step at 9:00 a.m. (this will respect system time zone settings )

    Evaluators Per Idea: When there are many ideas in a step, this setting allows you to control the number of evaluators per idea. E.g. Not every evaluator will evaluate each idea, they are balanced between the entire evaluation team.

    SendAlerts:

    Email Subject and Body: The assigner has the option to enter in any desired email subject and body text - which will be sent to the selected evaluators.

    Dynamic Fields: Allows the assigner to include dynamic fields in an Email

    Question Text: This question will be the basis for how the evaluators rate idea

    Rating Scale: Set the number scale for which the ideas will be evaluated on (e.g. 1-5 or 1-7).

    Recurring Reminders:Send email reminders to assignees after X days of inactivity.

    Action Item Escalation:Notify certain recipients when an action item hasnt been completed in X days.

    Select Activate to complete the Single Scale configuration.

    Assignee's experience:

    Once assigned, each evaluator will complete their 'Single Scale' action item by simply selecting the desired number on the number scale presented for each idea.

    The assignee can use their keyboard number keys to enter their rating, or select the respective rating right within Brightidea.

    He/she can review the idea (and all it's appended additional information) as well as provide comments to either:

    1) The idea submitter / team

    2) Only fellow screeners / evaluators

    3)All participants in the initiative

    Important Note: Once a Single-Scale evaluation has been completed for a Submission, the Pipeline Steps View will show the overall score next to the Submission. Hovering over the Submission will also show how many Evaluators have completed and are remaining to evaluate.

    Here are all the updates and improvements we made:

    View Idea

    If viewing a filtered list within Idea Boards, clicking on the "Back to List" button on View Idea will navigate back to the filtered list.

    Users now have the ability to remove any Votes they apply to Comments.

    Idea Boards

    Submissions can now be sorted Alphabetically! Simply click on the "Title" tag in any Idea Boards page to see these Submissions get sorted accordingly.

    Note: This setting is not enabled by default, however Admins can enable through Site Setup > Ideas > Idea Boards.

    Pipeline Management

    The "Change Pipeline" feature was fixed to make sure all matching fields copy over information correctly.

    The Points column for Review Evaluations were experiencing issues. This has been fixed by our Engineering team.

    Minor updates to the Date Filtering have been made.

    Submission Form

    Users trying to submit from their Draft URL were experiencing errors. This was resolved by our Engineering team.

    System Admin Tools

    Users that are assigned Initiative Admin or Community Admin can now access reports via our API!

    Analyst and Moderator Roles will now be able to see Admin-Only and Additional Info fields on View Idea pages.

    Note: Analyst will be View-Only, while Moderators will be able to Edit

  • The Action Items Manager allows System Administrators, Pipeline/Site Administrators and Moderators to manage assigned action items.

    Moderator

    Getting Started:

    To access the Action Items Manager click on the action items icon and select "View All"

    You will then be directed to "My Action Items" in Pipeline Management:

    Alternatively, if you access Pipeline Management or the Command Center directly, simply select the "Action Items" in the left side bar.

    Once you are in "My Action Items" list, select "Action Items Manager" link in the top right corner:

    If you are a System Administrator, you will be able to view all assigned action items in your Brightidea.

    If you are an Initiative Administrator you will only be able to see action items for Sites you are the administrator for.

    If you are a, you will also only be able to see action items for Pipeline/Sites in which you are set a moderator for.

    The tabs on top make it easy for administrators to view action items based on if they are open, completed, canceled, or all:

    Administrators can also use the search bar to quickly find any action item:

    Administrators can also quickly sort and filter the action item list using the built-in filter on each column in the list:

    With the "Actions" button, administrators have the ability to cancel, delete, or re-open any selected action item from the list:

    What is the difference between canceling and deleting an action item?

    Please note, deleting is not reversible!

    Canceling any action item, leaves the action item intact but marks it as 'canceled'.

    Deleting an action item will completely remove the evaluation data associated with that action item from your Brightidea site.

    To perform any of these actions, check the idea you want to perform the action forand select the appropriate action from the drop down menu:

    For administrators the Moderatoruser role can be configured in either Initiative/Site setup under Setup > Users > Administrators or the Apps Setup Wizard.

    Moderators can also be configured in the Roles tab in the Setup menu for any Pipeline.

    Brightidea's Administrative Roles are for users who are entrusted to run your system. These users will have permissions to configure settings throughout many sections of the site, depending on the role they have been assigned. See below for descriptions of the Roles and the permissions they will have.

    Setting Up and Understanding Challenge / Site Setup

    System Administrator: This role has access and control over the entire platform. They have the ability to create new Pipelines and Communities and can grant Administrative rights to select users. They have access to all dashboards and exports capabilities. Typically, clients only assign 1 to 2 system admins.

    Does a 'System administrator' have automatic access to all Sites ?

    Community Administrator: This role has complete control over a single community and all Sites within that community. This includes the ability to create new Pipelines within that community and grant administrative rights to select users. Additionally, community admins can configure the content of the sites as well as set up and manage the evaluation workflow process. They can also moderate the submissions, change statuses, and assign evaluation steps for all Sites that sit within their community.

    Initiative Administrators: This role has complete control over a single Site. This includes configuring the content of the site as well as setting up and managing the evaluation workflow process. They can also moderate the submissions, change statuses, and assign evaluation steps within the particular Site they have been granted admin rights.     Affilliate Sponsor: The primary stakeholder of a system. Typically their name is associated with the system to provide more credibility.

    Brightidea Non Administrative Roles:

    Brightidea's Non Administrative Roles will make up the majority of your users. These users will have limited permissions in the system since their main objective will be engagement with Sites and Submissions. See below for descriptions of the Roles and the permissions they will have.

    Analyst Role: The Brightidea Analyst role has the ability to check on progress or run reports, similar to Administrator permissions, without having to worry about misconfiguring settings. This role is great to apply to users who need access to all the data on a site, but have not had formal training on how to change/edit the different sections.

    Sponsor: The Sponsor provides budget and resources and helps define the topic and purpose of the challenge. Once the solution is handed off, a survey is sent to the Sponsor to gather feedback.

    End User: This role will apply to the vast majority of your users.   • Before the administrator starts to import submissionsinto the Brightidea system - please remember that all prior information must be in place within the Site prior to import:

    This includes necessary statuses, categories, and pre-existing email addresses of user(s) in the system

    This feature accommodates both Enterprise & Site statuses.

    Site

    To import submission from Site Setup - navigate to Site Setup > Idea Tab > Idea Import:

    Pipeline

    To import submissions from Pipeline navigate to either Step View or List View and select the dropdown next to the Quick Add a submission "+" sign

    Select "Import Submissions/Ideas"

    The user will be prompted to download the "SubmissionImport Template"

    Submission Import Template

    From either Site setup or Pipeline download the "Submission Import Template".

    The administrator can open and fill in the .XLS template in Excel.

    If the admin needs guidance, please see the "Example" under step 2.

    Once the administrator completes the table, go back to Pipeline or Site setup and select "Upload File".

    The system will automatically check the file and either give the administrator the number of submissionsthat will be imported (as pictured above)

    The system will also notify the administrator of the submissions that won't be imported and the reason(s) why.

    In addition, users can importadditional submission form questions. When the administrator setups their submission form, the admin's template will automatically have their questions planned out in the top row of their import xls file.

    Selecting either "Download Submission Import Template" or "See Example" in the SubmissionImport window will give the admin their updated template of their additional submission form questions once the submission form is saved.

    Let's say my submission form looks like this, and I want to import three different submissions:

    Check-box format

    Radio button format (Multiple Choice)

    Long/Short Answer format

    Dropdown format

    Once saved, In the .xls template, the questions will appear at the top row:

    Let's say we wanted different combination of for all three submissions:

    For Checkbox, the system can have multiple choices...so we will have "More Money" & "More Time" for all threesubmissions

    We wanted "Yes" for all three submissionsfor the radio selection

    Any text will do for the long/short answer

    We wanted "Evaluation Process" as my selection for all three submissions

    The .xls file would then look like this:

    Please note the comma separated items for the checkbox question type - since we can select more than one (spaces should not matter.)

    We also used the choice selections as text, as well as the dropdown selections.

    Save the file, and conduct the import.

    Once imported, all submission(s) will be populated with their respective selections on the View Submissionpage(s):

    Important Notes

    In addition, users can importtags. When the admin setups the submission form, the template will automatically have "tags" column planned out in the top row of the .xls file.

    To import tags, please separate each submision's tags with separation of a comma

    Example: If I wanted to import the tags "innovation", "world", & "communication"

    In the cell, the admin would enter "innovation,world,communication"

    Foreign characters are accommodated in this import.

    SubmissionsImport cannot be accommodated to update existing submissions, this feature is for newsubmissionsonly.

    If the administrator uses customized date formatting - it cannot be in that format for the import, it must be mm/dd/yyyy

    Users do not receive reputation points for imported submissionsat this time.

    The submissions import feature is not designed to accommodate dependent submission form question at this time.

    Please make sure there are no questions set as 'dependent' on the submission form before running the import.

    If a Rule, within Rules Engine, is configured to trigger an Email when a Submission hits the first Step, this may conflict with the Idea Import process.

    Idea Import will trigger the email to be sent before an idea URL link has been generated. If you have a Rule configured for your first Step, we recommend turning off the rule before the import process starts.

    This widget is to provide additional submission metrics and statistics around the submission the user is landed on:

    The widget will display the following items from the selected submission:

    A 'vote' is either promote, demote or user whos added at least 1 chip.

    Team: Full list of team members if a team posted the submission

    Points: Total points after adding in the multiplying factor (seen in setup).

  • In Enterprise setup - we have a feature where Enterprise administrators can customize a newsletter for their Site users. The newsletter can be used to help promote participation around their Site(s), any announcements or alerts, anything! Once enabled, it will be located underEnterprise Setup > Site > Newsletter. The newsletter feature allows the system administrator to build the newsletter over time by saving it, then once it is ready - adminstrators can add users and/or groups to the recipients list for it to be sent.

    Once any newsletter is saved, selecting on the Newsletter title will bring the user to the filled out version of the newsletter

    The 'Date Sent', 'Created By' and 'Last Updated' will show when the newsletter is saved

    The administrator has the option to delete the newsletter by selecting the right hand side 'X'.

    Sending the Newsletter

    When the administrator is ready with their recipient list and their newsletter content, he/she selects Send Newsletter

    A warning box with the number of recipients it is going to be sent to a confirmation pop-up screen.

    The user must confirm this is correct by selecting the 'Send Newsletter' button

    If a user clicks the red "X" to delete a newsletter the warning pop-up

    Important Things to Note:

    The newsletter inherits the Enterprise Contact Email setup in Enterprise Setup. Therefore all newsletters triggered will come from this address when sent to the administrators' audience.

    This is located in Enterprise Setup > Site > Components > Contact Email

    Attachments cannot be appended to newsletters.

    Newsletters may take a few minutes or hours to get to the target audience depending on size of the recipients.

    Newsletter is only available on Enterprise level, not Initiative/Site.

    If any emails do not get received, please verify the system email settings, as well as the users' personal profile settings

    The subject line for the newsletter can be up to 100 characters.

    1. Prerequisite

    In order to implement Single Sign-on (SSO) using the Brightidea SAML SSO feature, the following conditions must be met:

    SAML 2.0

    2. Feature Overview

    To get to theBrightidea SAML SSO feature in your Brightidea, navigate to Enterprise Setup> Accesstab.

    Authentication Selection Tab

    This sub-tab displays a list of authentication option for available for the system.By default, it only shows two standard methods: Brightidea Login & Registration. Once a SSO method added, it will show up in the list.

    SAML Profiles Tab

    This sub-tab is where a SAML SSO method is setup. Tab contains four sections:

    Service Provider Info

    This section presents information of the given Brightidea system as a Service Provider. The information is used for SAML configuration within your company.

    Identity Provider Setting

    This section allows administrator to input information about your company as the Identity Provider.

    Support Settings

    This section allows administrator to enter contact information for SSO user access support.

    SAML Transaction Log

    This section contains navigation to SSO user access log.

    3. Getting Started Configure a SSO method

    Its likely that a SSO Engineer from your company is needed for the configuration. Login as administrator, and then navigate to Enterprise Setup > Authentication > SAML Profiles(sub-tab)

    The first step of setup is to exchange SAML information between the Brightidea and your companys Identity Management system.

    Service Provider Information

    In SAML SSO integration, Brightidea is the Service Provider. You can find the Server Provider information in the Service Provider Info Section.

    Assertion Consumer Service

    An endpoint URL for receiving SAML Response, copy and paste it into your companys Identity Management setup.

    If the given Brightidea system has multiple domain setup, you can choose the desired endpoint URL used for the configuration.

    Entity ID of this System

    A string that uniquely identifies the given Brightidea system as SAML service provider, copy and paste it into your companys Identity Management setup

    Download Metadata

    Metadata is information used in the SAML protocol to identify Brightidea as a service. It defines attributes like service addresses and certificates.

    Download and upload it into your companys Identity Management setup.

    4. Identity Provider Information

    In SAML SSO integration, your companys Identity Management system is the Identity Provider. At the Identity Provider Setting section, click on Add New button to enter applicable information. We call the setting a profile.

    SAML Profile Name

    Give a name to the profile.

    Upload Metadata

    This field expects a valid Identity Provider metadata. Very often, you can export this metadata from your companys Identity Management system. Once uploaded, it can auto populate some other fields in this profile if applicable.

    Single Sign-on Service

    An endpoint URL of your companys Single Sign-on service page. It receives Authentication Request from Brightidea. It can be auto-populated through Metadata upload.

    Identity Provider Issuer

    This field expects a string that uniquely identifies the Identity Provider. It can be auto-populated through Metadata upload.

    Upload Public Key

    This field expects certificate used for signature verification in a SAML Response. It can be auto-populated through Metadata upload.

    Assertion Attribute Name Mapping

    Brightidea Service Provider requires two assertion attributes from the Identity Provider when receiving SAML Response.

    Email Email address of the accessing user

    Screen Name Display name of the accessing user. Normally, its the users full name.

    In the corresponding input field, enter the name of those attributes that come through SAML Response.

    On Save Changes, a new Identity Provider profile should be created.

    5. Test it out SSO Test Run

    Now that an SSO profile setup, you can give it a test. But before test begins, make the following preparation:

    **You will need access to 2 different types of browser**,such as IE and Chrome, or Firefox and Safari. One browser is for enabling setup, the other is for testing. DO NOT attempt setup and test in the same browser. Once SSO is enabled for a system, you can no longer login using regular Brightidea login method. Before the setup is validated, you want to avoid being locked out because of failed SSO attempts.

    **Inform existing system user on service interruption**. If your Brightidea system is already live with regular user accessing, its best to perform sso testing on an off hour. If your system has yet launched, be sure to notify pre-launch user on testing schedule.

    Follow the steps below. It uses Chrome and Firefox in the instruction.

    In Chrome, navigate to Enterprise Setup, then Access(Tab) >Authentication(Sub Tab). You should see a SSO profile listed under the regular Brightidea login method.

    Check the method and click Save Changes. This will disable the regular Brightidea login method, and allow user access through SSO only.

    Keep the Chrome browser open, and open Firefox, then enter the Brightidea system URL in the address bar.

    Browser will trigger SSO by sending SAML Authentication Request to the endpoint set in the Single Sign-on field of the Identity Provider Profile Setting.

    The user experience at the Single Sign-on Service page is dependent on your company Identity Management system setup.

    The screenshot below is an example of the authentication interface of a companys Identity Management system. Your companys authentication interface may not look like this.

    In this example, we assume the user have yet authenticate with your company. The browser prompts for user login. If the user has already logged in, user may not see any browser content from your company.

    After successful authentication with the company, your companys Identity Management system should send request to the Brightidea Assertion Consumer Service URL, passing SAML Response. This is the URL presented in the Service Provider Info section.

    If the SAML Response is valid, user will enter into the Brightidea system.

    After login, verify user account accuracy by visiting your profile page. The key is to check whether screen name and email are populated correctly. If the data looks good, that means SSO integration is a success. You can then open it up for other users to test.

    6. Customize SSO Settings

    A SSO integration can be customized to fit your company needs. Go to an existing profile in the Identity Provider Info section, click on the Configure Advanced Settings link, and the profile will expose more configuration options.

    Entity ID of this Profile

    Value of this field defaults to the Entity ID of this System under the Service Provider Info section. However, you can choose to set one of your own.

    Logout URL

    Enter the URL of the page that your users should land on after logout of the Brightidea system.

    Authentication Binding

    Choose to send the method of how the Authentication Request is sent: POST or REDIRECT.

    Signed Authentication

    Choose signature algorithm for the Authentication Request. By default, the request XML is not signed.

    Create member on initial access

    If enabled, user account is created in Brightidea system automatically on first time access.

    If disabled, new users will not be able to access. Only users who have existing accounts in system (possibly from manual user import) can access.

    The system uses either email address or value from the NameID attribute in SAML Response to verify whether a user has an account in Brightidea. If a match is found on either, that means an account already exists.

    Update member on subsequent access

    If enabled, Brightidea profile is updated from SAML Response attributes automatically for returning users.

    If disabled, user attributes are from SAML Response will not over-write existing user profile data in Brightidea.

    The system uses either email address or value from the NameID attribute in SAML Response to verify whether a user has an account in Brightidea. If a match is found on either, that means an account already exists.

    Profile Attribute Name Mappings

    You can choose to send profile attributes of the login user in the SAML Response. Map the names of those attributes to the Brightidea profile fields.

    Screen name is required for user access. Its normally the users full name. If your companys Identity Management system cannot pass a screen name attribute on user SSO login, enable this option to combine value from first and last name field to create users screen name.

    Use semicolon as delimiter if passing multiple group values in the same field. On user access, new groups will be created automatically. System prepends AUTO_ in group name to differentiate these from manually created groups. The accessing user is then assigned to those groups.

    Map an attribute name from SAML Response that contains user profile photo. Attribute must contain hex value of an image file. Image must be in.PNG, .JPG, or .GIF format.

    On user access, the hex value will be converted to the appropriate image format, and uploaded as user profile image.

    7. Support SSO Logins

    Brightidea system provides tools to help admin support user SSO login.

    Support Setting

    Admin can configure contact information for accessing user in the Support Setting section. User would only be exposed to the information when an SSO login error is encountered.

    Name

    Contact name of SSO error support.

    Email

    Contact email of SSO error support.

    Telephone

    Contact phone number of SSO error support.

    Send alert to email

    Enable to receive email alert when a user encounters SSO login error.

    Expose support info

    Enable to display support contact info at the SSO login error screen.

    Transaction Log

    Every user access is recorded. Admin can review the records through the SAML Transaction Log. Click on the Go to SAML Transaction Log link, and the log list would display.

    The list provides access to all SAML activities from last 30 days. Admin can sort and filter on each column in the list. Clicking on a Transaction ID opens the Transaction Detail page.

    8. Troubleshoot an User Login Error

    When a user encounters SSO login error, a Reference ID would be generated. Depending on the Support Setting, system admin would receive that ID either through system generated email, or direct contact by the user. Using the ID, you can troubleshoot for the cause of the issue.

    Troubleshoot Steps

    Open SAML Transaction Log from Enterprise Setup-->Authentication Tab-->SAML Selection Sub-tab

    Locate the Reference ID column, copy the ID received from user access error, paste it under the column to filter records, then hit the Enter key. List will filter base on the ID.

    Once the targeted record is found, click on the Transaction ID to view detail.

    Check Error Message field to get information on the cause of the error.

    Check Request/Response XML for data exchanged at the time of the transaction between Brightidea and your company.

    9. Error Message Reference

    Below is a list of possible error messages and what they mean.

    SAML 2.0 Artifact Binding is not supported

    The Identity Provider is set to use SAML 2.0 Artifact Binding. Brightidea SSO feature does not support this method. Please configure the Identity Provider to use POST binding.

    Invalid message received to AssertionConsumerService endpoint

    The Identity Provider had sent an invalid SAML Response value to the Brightidea. Check the transaction log detail page to see the SAML Response XML value sent.

    Missing <saml:Issuer> in message delivered to AssertionConsumerService

    The SAML Response sent by Identity Provider is missing the Issuer element. Issuer is a required in the XML. Check the transaction log detail page to see the SAML Response XML value sent.

    The <saml:Issuer> of the response does not match the identity provider we sent the request to

    The SAML Response sent by Identity Provider contains invalid Issuer value. The value must belong to the Identity Provider who had received authentication request from Brightidea.

    The required response parameter RelayState was missing

    An Identity Provider initiated SSO request is sent to Brightidea. The request is missing the RelayState parameter. Make sure both RelayState and SAMLResponse parameter are sent in Identity Provider initiated SSO request.

    No Identity Provider Profile Exists for this Issuer

    The SAML Response sent by Identity Provider contains invalid Issuer value. Check the value configured in the Identity provider Issuer field in the Identity Provider profile. The Issuer value in the XML must match the value configured in that field.

    More than one assertion in received response

    The SAML Response sent by Identity Provider contains multiple Assertion elements. A valid SAML Response contains only one Assertion element. Check the transaction log detail page to see the SAML Response XML value sent.

    Received duplicate assertion

    The SAML Response sent by Identity Provider contains an used Assertion. This happens when the assertion was already used for a previous user access.

    Process Assertion: SAML Profile Not Found

    No SAML Profile contains the identity provider issuer found within the SAML Response. Check the value configured in the "Identity Provider Issuer" field in the SAML Profile settings. The issuer value in the XML must match the value configured in that field.

    Process Assertion: Destination in response doesn't match the current URL

    The SAML Response sent by Identity Provider contains an invalid Destination attribute value. Value should be the same as the Brightidea Assertion Consumer Service URL. Check the transaction log detail page to see the SAML Response XML value sent.

    Process Assertion: No assertions found in response from IdP

    The SAML Response sent by Identity Provider is missing Assertion element. A valid SAML Response contains an Assertion element. Check the transaction log detail page to see the SAML Response XML value sent.

    Process Assertion: Missing certificate in metadata

    This error occurs when the certificate uploaded in the Identity Provider profile setting is invalid.

    Process Assertion: Identity Provider Data Error: Could not find encoded certificate in file

    The error occurs when the SAML Profiles uploaded public key is unable to be read. Upload Public Key field requires a certificate in plain text format.

    Process Assertion: Neither the assertion nor the response was signed

    The SAML Response sent by Identity Provider is not signed. A valid signature is required in the XML.

    Process Assertion: Neither the assertion nor the response was signed

    The SAML Response sent by Identity Provider is not signed. A valid signature is required in the XML.

    Process Assertion: Received an assertion that is valid in the future. Check clock synchronization on IdP and SP

    The error occurs when Identity Provider and Service Provider is not using the same time.

    Process Assertion: Received an assertion that has expired. Check clock synchronization on IdP and SP

    The error occurs when Identity Provider and Service Provider is not using the same time.

    Process Assertion: Received an assertion with a session that has expired. Check clock synchronization on IdP and SP

    Process Assertion: Missing required <saml:AuthnContext> in <saml:AuthnStatement>

    The error occurs when Identity Provider sent a SAML Response with missing AuthnContext element.

    Process Assertion: Error decrypting assertion: No private key found in metadata.

    Enable 'Sign Authentication' under advanced configuration to correct. Select the correct algorithm based on your requirements.

    This SP [] is not a valid audience for the assertion. Candidates were: []

    The error occurs when the entity id does not match the value found in the Audience XML attribute.

    Create Session: Unknown error creating user

    An unexpected error occurred on user login.

    Create Session: User does not have access to this campaign or affiliate; you may need to add this user to a group or assign this user's group to the campaign. User's domain may be restricted

    User cannot access because of group assignment or domain restriction setting of your Brightidea system.

    Create Session: (Screen Name/Email) cannot be blank

    The error occurs when Brightidea Service Provider fails to receive valid Screen Name or Email value of the user from Identity provider. This could be caused by one of the reason below:

    Incorrect attribute mapping - Verify attribute mappings are correct at the Identity Provider Profile setting. Attribute name mappings are case sensitive.

    Create member on initial access is disabled User has been identified as a new user and cannot be created because of the disabled option.

    Failed to save member

    Unable to Retrieve Metadata

    The metadata uploaded in Identity provider setting is invalid.

    System Configuration Settings Not Found

    The error occurs when Identity Provider makes an IDP initiated request to a Brightidea system with no Identity Provider Profile setting configured.

    Unable to load certificate/public key

    The certificate/public key uploaded in Identity provider setting is invalid.

    If SSO integration is setup correctly, the app will invoke browser within app, and redirect user to your companys user authentication page.

    Depending on the setup of your companys authentication service, user may or may not be prompted to enter company credential.

    After successful authentication, the user will be logged into the mobile application!

    Customer-side e-mail administrators should whitelist our mail server host name (smtp01.brightidea.com &smtp02.brightidea.com) according to their specific anti-spam solution.

    By whitelist, we are referring to the list of known-good host names and/or IP addresses permitted through the Anti-Spam filter

    Additionally, Client-side DNS administrators can modify/create a SPF record in their domains DNS zone.

    By adding the following to your domains SPF record:include:brightidea.com or a:smtp.brightidea.com, a:smtp01.brightidea.com, a:smtp02.brightidea.com -you are specifying that Brightideas mail server is capable of sending legitimate mail for your domain.

    This is used by other mail servers and spam filters to verify that the mail being received from xyz.com domain is authorized to be sent out from xyz.com domain.

    Note:

    We do not recommend using any IP addresses for DNS / White-Listing purposes as those can change dynamically in the future and areoutside of our control.

    The information in this article is typically only required if your Brightidea site is using a custom contact address with a non-Brightidea domain (e.g. [email protected]).

    Here are all the updates and improvements we made:

    View Idea

    Adding a Team Workspace member through the View Idea widget was experiencing issues. We were able to resolve this going forward.

    Pipeline Management

    The Idea Code column has been added to the Step Manage pages!

    Date filtering for Pipeline List View has been updated.

    Submission Form

    Improvements have been made to the Submission Form Builder scroll bar.

    Adding placeholder text for Team Submissions was being cut-off when viewing from the front-end. This has been fixed by our Engineering team.

    The Submit button in Post Idea 2.0 has been updated. There is now a dropdown menu with the options for "Save Draft," "Preview," and "Discard." Selecting "Discard" will delete the Submission/Draft.

    For a specific Use case, Dependent form questions were populating in the wrong order. This has been corrected.

    Drafts may no longer be shared between users. Sharing a URL for a Draft to another user will no longer display the Draft.

    System Admin Tools

    Updating the Initiative title was having issues saving. We were able to locate the source of the problem and resolve.

    The Search function will no longer show results for deleted and hidden comments, hidden ideas, and Admin questions

    The User experience for Duplication has now been updated.

    When duplicating Pipelines, the Email Templates within Setup will be carried over to the new Pipeline.

    Videos are a great way for Users to share information within their Submissions. Brightidea offers a few options to your Users, let's find out what they are...

    Option 1

    YouTube / Vimeo embed codes

    Users can take a video from YouTube or Vimeo, copy the embed code, and apply it to the Description of their Submissions.

    1. Find your video from YouTube or Vimeo

    2. Right-click onto the video and choose "Copy embed code"

    3. Go to your View Submission page within Brightidea and add to the Description Rich Text Editor.

    4. Save your new changes and you can now watch your videos within Brightidea!

    Option 2

    Send Video files via Email

    If a User has a video on their phone or laptop that they want to share, they can send that file as an 'Email Submission'.

    Also, as long as the video file is an AVI, MP4, WMV, or MOV, then the video will be sent with the Submission as an Attachment.

  • Uploading attachmentsis a great way to help your fellow usersbetter understand your submission. This article will review some of the frequently asked questions around attaching supplementary material to submission(s).

    What can or cannot be upload to the submission?

    NEW: Users can upload the following file types: ALL OF THEM!We have updated our Attachments to support every file type (but don't get carried away, the file size limit is still 150MB).

    Also, we have limited the upload time to 30 seconds. If a file takes longer than 30 seconds to upload, then we automatically quit the upload to prevent any further issues.

    NEW: Can videos be embedded within a Submission?

    When creating a Submission, if the User attaches a video file, the video will embed into the Description and can be played within Brightidea! This video file will also live within the Attachments section of the Submission.

    Note:Videos will only embed during the Submission process, videos cannot be embedded after the Submission has been created.

    When I attach an image to the submission, what type will show on the submissionlist page?

    On the submissionlist page, only JPEG and PNG images are displayed.

    Can the end user or administrator edit or delete attachments post submission?

    Yes, administrators are able to do so. Refer to this article regarding .

    What is the maximum file size for uploading attachments?

    100MB is the standard maximum file size allowed for attachments in Brightidea.

    What are 'Private Attachments'?

    When enabling "Private attachments" option - this will only allow theAdmins(System, Pipeline, Moderators, etc.) of the Initiative and the actual Idea Submitter to view any private attachments uploaded.

    Regular end users will not be able to see these attachments.

    Can an administrator export the attachments uploaded?

    Unfortunately, it is not possible to export attachments. They would need to download the attachments from the individual View Submissionpages.

    Creating Stages inBrightidea

    Stages inBrightidea are used to organize and group different steps/tool types depending on your process work-flow.

    Example, the Manager can separate the work-flow into three separate stages:

    To create a Pipeline stage, select the "+" sign in the lower right-hand corner.

    In the pop-up box, select "Create a New Stage"

    In the "Create Stage" box, input the stage name

    Select the "Innovation State" from the drop down options:

    Note: the Innovation Stateattributeis a new feature that is only for reporting purposes at this time.

    This feature is used on the main Command Center chart called " Program Tracking ".

    To create a new step, select the "+" sign in the lower right-hand corner of Platform

    The 'Review' step is intended ensure newly submitted ideas meet the qualification criteria for your challenge.

    TheReviewstep allows Pipeline Managers or administrators to trigger action items to idea evaluators or subject matter experts to fully review ideas assigned to them.

    The 'Single Scale' step is intended to allows Pipeline Managers / Administrators to engage their subject matter experts earlier on in the idea selection process. The assigners can receive really quick and impactful numeric ratings on ideas being considered for selection / handoff.

    This allows for evaluations of ideas based on number scale system (e.g. 1 -7). This allows idea evaluators to quickly and efficiently go through an assigned list of ideas and provide their feedback instantly.

    When a'Single Scale'action item is triggered, the evaluator / screener can provide any of the following:

    Review all components of the idea (attachments, votes, comments, any additional information) to provide a numeric rating on an idea

    Provide feedback and/or ask questions through comments (to both idea submitters and/or fellow screeners)

    Pairwise

    What is the 'Pairwise' tool for?

    The 'Pairwise' step in Platform is an A/B idea comparison tool. The evaluator can then select the idea they like better - or select neither idea before being presented with the next pairing.

    Evaluator is presented with two ideas at a time, and selects the best one

    After all ideas are chosen / not chosen, an algorithm then ranks the ideas based on a point system.

    When a'Pairwise'action item is triggered, the evaluator / screener(s) will be able to select the best idea from each comparison.

    Development

    What is the 'Development' tool for?

    The 'Development' step provides the Pipeline Managers / Administrators with ability to gather and build out ideas that are chosen to move forward.

    The manager can then create custom 'Development' questions to further gather information for each idea.

    Once questions and fields are set, he/she can then assign a 'Development' action item to the idea's submitter.

    No Tool Selected

    What is the 'No Tool Selected' step for?

    The 'No Tool Selected' step provides the Pipeline Managers / Administrators with ability to archive/hold ideas in a step that require no further evaluations or actions.

    Example, after ideas are evaluated, the Pipeline Manager can move those ideas to this step type and work on newly submitted ideas.

    To work with this step type, simply add it to the respective Challenge Pipeline and move ideas to it as needed.

    Managing Ideas directly from the Steps view

    The Pipeline Manager can filter, sort, and perform actions on ideas directly from the Steps area.

    Ideas in the Steps view can be filtered bystatus andcategory.

    Ideas can be sorted in ascending or descending order based on:

    Title

    Code

    Submission Date

    Step Result

    The Pipeline Manager can also perform actions on ideas directly from the steps view.

    The selected ideas will be highlighted in blue.

    Once highlighted, select the top "Action" menu to perform any of the available actions on the selected ideas.

    To get started, select ideas from any of the steps by clicking directly on them.

  • If you are setting up your Brightidea and plan for Users to translate pages, it is important to understand our translation options to provide the best experience for your Users. We currently provide two options, both of which you can read more about below.

    Option 1: Translating Brightidea using Browser tools

    Each different Browser may have a translation feature that is available to use. We have summarized each option and provide details on how to apply the translations.

    Translate webpages in Chrome:

    Chrome is our preferred method for clients that are translating pages for their Users.

    When you come across a page written in a different language, you can use Chrome to translate the page.

    On your computer, open Chrome.

    Go to a webpage written in another language.

    At the top, clickTranslate.

    Chrome will translate the webpage this one time.

    If the prompt to Translate does not appear, right-clicking on the page and choosing the Translate option will also work.

    Translate webpages in Firefox:

    Firefox does not have a native translate feature similar to Chrome. However, Firefox does offer plug-ins that can be installed to translate pages.

    Translate webpages in Internet Explorer:

    Similar to Firefox, Internet Explorer (IE11) can download plug-ins that will translate pages for your Brightidea.

    If your IE11 browser is using Google as a Search Engine, you can download the Google Tool Bar plug-in and then use the Google Translate feature to translate all your pages.

    Option 2: Translating Brightidea using Labels

    Mostly all languages can be translated via label edit mode in Initiative / Enterprise

    Administrators can also leverage the label import and export as well.

    An Initiative can only be translated to one language at a time using labels (as there is only 1 set of labels for an Initiative).

    Important Note:noteverything within Brightidea is a label that can be edited/translated at this time.

    Items that are not highlighted in yellow when label edit mode is enabled usually can't be changed.

    This point is very important if you are attempting to do a complete translation to another language, it will not be possible to translate 100% all of the terms used in Brightidea.

    You can stay on top of what is happening in your Brightidea campaigns by sending notifications to your Slack channel whenever an idea or comment is submitted to a campaign in your Brightidea platform in real-time!

    Slack Setup

    Set Up Your Slack Team

    First, lets set up whats called a webhook for your Slack Team.

    Slack provides all needed documentation to do this here.

    1.Open your Slack account.

    Click on your team name and then select Apps & integrations.

    In the Search Bar type Incoming Webhooks and select the app with this icon.

    Click Add Configuration.

    2. On the next window, you are asked to choose a channel to which you would like to post your Brightidea notifications.

    This will be the default channel. This channel can be overridden later when setting up the integration within the Brightidea Site Setup.

    3. Next, you are taken to documentation on how to use the webhook you just created for your Slack Team.

    Notice the Webhook URL generated for you. We will use this later in the Brightidea system. It looks like this: https://hooks.slack.com/services/T00000000/B000/XXXXXX.

    Scroll to the bottom to set the name of your integration and logo.

    Brightidea Setup

    Below is a step-by-step guide to setting up your Brightidea Campaign to post notifications to Slack, using the Webhook URL you just created within Slack above.

    1. Navigateto the Pipeline of theChallenge/Initiative you would like to set up to post notifications to Slack and select Setup:

    2. Under 'Setup', select Rules --> Actions --> Add Rule to create a new rule which we will use for this Slack integration.

    Give this rule a title and choose the event which would trigger this rule.

    For example, if you want a notification to be posted to Slack whenever an idea is submitted to this Challenge/Initiative, selectIdea Submitted. Choose any necessary conditions you would like this rule to follow as well.

    3.Under 'Perform the Following Actions' within the Rule configuration, select Post to URL.

    Select POST and input the Webhook URL you generated from your Slack account e.g. https://hooks.slack.com/services/T00000000/B000/XXXXXX

    Under Headers, enter HDR1:hdr1 (as a placeholder).

    Your Parameters will follow a specific format given by Slack: .

    Feel free to copy and paste the parameters below, replacing the appropriate content with your own.

    These dynamic fields are available for use in this integration:

    Channel: When creating the webhook within your Slack Team, you set a default channel. To override the default channel, input the name of the channel, like #general or @sally (for a direct message).

    Fallback and Pretext: This will probably change according the trigger event. For example, you might want it to read A comment was submitted to the campaign [WEBSTORM_NAME].

    Color: Input any color code to change the color of the attachment. Right now, it is set to gray.

    Title: This is the title of the attachment. In this case, it will display the title of the idea that was submitted.

    Value: You can set the value to anything. However, you will most likely want this to be a link which directs the user to your Brightidea platform, showing the event that triggered the notification--for example, a link to the idea that was just submitted.

    The current input will automatically grab your BI accounts idea code to link directly to the idea which triggered the notification. The part you need to input is the abc in the urlchange it to your companys url.

    Getting Started:

    NEW:Business Impact Fields are now configurable at an Enterprise level. Navigate to Enterprise Setup > Ideas > Business Impact tab.

    Each Benefit is divided into Financial and Non-Financial and broken down into individual fields that can be set to meet your innovation program needs.

    Easily apply new fields by clicking the + Add Benefitbutton at the bottom of each Benefit.

    You can also delete fields by clicking the trash can to the right of each item.

    Each item can also be moved up and down in the list by clicking-and-dragging the left rearrange icon.

    After all benefits have been set, Admins can then navigate to any idea page and select the"Business Impact"tab:

    To start, select the blue"Add Impact" button:

    Within this tab,Administrators can calculate projected and actual impact associated with the idea.

    Fill in financial impact by selecting/entering the following:

    The newly added business impact will be recorded on the view idea page:

    Submitter Access to Business Impact

    Administrators may also allow Submitters access by navigating to Site Setup > Ideas > Ideas.

    With this setting enabled, users that submit ideas/projects will have the ability to view the Business Impact that has been set up with their Submission.

    Managing Business Impact:

    Keep in mind - by default this tab is only visible to Administrators, Moderators and Evaluators - however, if the option is enabled to allow submitter access, that will allow them to also view and edit.

    Editing Business Impact

    To edit business impact select "Update"

    Ahistory of business impact entries for that idea can be viewed at the top of the Business Impact tab

    Deleting Business Impact

    To delete business impact, select the 'trash' icon next to the benefit or cost:

    The following columns can beadded to the Pipeline Idea List using the 'gear' menu:

    Once the columns are added to the list view, run the export by selecting the green 'Excel' icon on the upper right.

    Assigning Business Impact Action Items

    Any development team members, when selected to edit idea attributes, can now enter projected and actual business impactvia a development action item

    The Administrator / Pipeline Moderator can add a new Development step in the Pipeline workflow to conduct this action:

    Use development submission form question to ask if business impact is recorded... and the assignee can go to those areas and fill out business impact.

    "Allow Assignees to Edit Idea Attributes" must be enabled.

    The administrator can also create a custom email for the step so when the action item goes out, it reflects the assigned action:

    When the assignee, gets the action item, the user can enter business impact for the idea assigned to them, while also choosing a development field question:

    Command Center Dashboard

    Business impact for all ideas will be reflected in the overall metrics in the Command Center main dashboard:

    In this screen administrators can view Projected Net Benefit, Non-Financial Benefits, and Actual Benefits by individual Site, a selected group of Sites, or for all Sites.

    Business Impact can be tracked at an Initiative level dashboard or an

    Administrators can view Financial Benefits Over Time and Financial Summary by Innovation.

    Administrators can also export business impact from the Pipeline dashboard.

    User Home

    The Highlights Feed in User Home will now load more items as you scroll down the feed (infinite scroll).

    Navigation Search

    When searching for hidden fields and hidden comments, End-Users were able to locate this content in the search results. This has been updated so that search results no longer reflect this.

    Single-Sign On

    Brightidea Mobile App was experiencing issues with SSO Login on iOS devices. This has been resolved by our Engineering team.

    Idea Boards

    Submissions can now be sorted by Title (Alphabetically)! Enable this option within your Idea Boards setup menu to provide a new sorting view for Users.

    System Admin Tools

    The Analyst Role now has read-only access to the Additional Info tab in Idea View

    The Business Impact Dashboard provides metrics that help you monitor business impact generated and reported in your Brightidea across time periods and pipelines.

    How To Enable

    Enterprise Impact Dashboard is already enabled by default. You will see this dashboard located under Command Center > Analytics > Business Impact Dashboard.

    If you do not see this dashboard enabled, then you will need to contact Brightidea support to enable on your behalf.

    Enterprise Business Impact Chart and Metrics

    The Enterprise Business Impact Dashboard is broken down into two sections. First section is labeled "Financial Benefits Over Time".

    The"Financial Benefits Over Time" chart will give you a visual representation of your Total Projected Benefits (in blue) versus your Total Actual Benefits (in green). Administrators can also add/view a red-dotted line of the Target Benefits as well.

    The dropdown to the top-right of this chart will allow you to adjust your view based on a Cumulative or Yearly view.

    The gear icon to the right of the dropdown will allow you to adjust annual financial targets, add a Year to the report, or clear the targets altogether.

    The second section of this dashboard is labeled "Financial Summary By Initiative".

    The"Financial Summary By Initiative" section will break down the Business Impact of each Initiative that has recorded benefits. Initiatives with no recorded benefits will not be shown in this section.

    Each row is broken down by Initiative Title, App Type, Initiative Status, Submissions within the Initiative that have recorded Business Impact, Total Projected Benefits, Total Actual Benefits, Total Target Benefits, Total Projected Costs, and Total Actual Costs.

    Important Note:

    Business Impact data can be exported by clicking on the green icon at the top-right of the Business Impact Dashboard.

    Key Program Results shows statistics for Unique Participants, Opportunities Created, Projected Value, Tracked Outcomes (Total), and Tracked Outcomes (Dollar Amount).

    Note: Pipelines marked Research Pipelinecan be filtered out in this dashboard by selection the gear icon and checking off "Exclude Research Pipelines"

    Unique Participants:

    Represents the number of unique users who participated in the program (for example vote or submitted an idea) during the selected timeframe.

    Opportunities Created:

    Represents the amount of ideas where "Opportunity" is the Innovation State

    Projected Value:

    Represents the total dollar amount of Projections for all ideas

    Tracked Outcomes (Total):

    Represents the total number of ideas that have recorded Outcomes

    Tracked Outcomes (Dollar Amount):

    Represents the dollar value of outcomes from innovations both revenues and cost savings during the selected timeframe.

    Outcomes are recognized on the last day of the period for which they are recorded and expressed on the chart in thousands of dollars.

    Program Tracking

    Program Tracking panel displays key program metrics for the Innovation Program in a graph

    This enables the IPM to view changes of key metrics over a certain time period.

    Program Tracking is organized by People, Ideas, Opportunities, Projects, and Outcomes.

    People:

    This tab displays the total Unique Participants.

    Ideas:

    This tab displays metrics for Total Ideas.

    Total Ideas represents the total number of ideas in the system at any given time.

    Opportunities:

    This tab displays metrics forTotal Opportunities.

    Total Opportunities (which may be referred to as Business Cases, Proposals, Solutions, etc.), represents the total number of active opportunities in the system at any given time.

    Projects:

    This tab displays metrics forTotal Projects.

    Total Projects represents the total number of projects in the system at any given time.

    Outcomes:

    This tab displays fiscal metrics for Tracked Outcomes.

    Innovations Per Status

    This chart displays a percentage of ideas that belong to a specific status for the entire Innovation Program.

    The IPM can view the total amount of ideas in the entire Innovation Program that have an assigned status.

    Please note, this chart will only support Enterprise level statuses, Site specific statuses are not supported at this time.

    The IPM can hover their cursor over a status and the status name, percentage and total amount of ideas belonging to that status will be displayed.

    Action Item Alerts

    Pipeline

    Displays top five pipelines with most action items overdue or close to being overdue.

    Assignees

    Displays top five users with most action items overdue or being close to overdue.

    The IPM can also access the "Manage Action Items" page by selecting "View Action Items Manager"

    Top Users by Reputation Points

    Active Users displays the top most active users in the IPM's system based on points earned.

    Activity Feed

    Activity Feed in the Command Center displays all recent activity for the entire Innovation Program.

    Back-End Pipeline

    When moving or copying a Submission from one Pipeline to another, rules and action items configured for the first Step will now be triggered.

    Copying a Community will now append COPY to the end of the new Community.

    An issue with editing Development questions from the Step Configuration screen was resolved.

    When copying an anonymous Submission to another Pipeline, the appended comment noting that it is moved has been updated to no longer display the original submitter

    Post Idea 2.0

    A warning will now be displayed if a User is leaving the Post Idea 2.0 screen without saving their Draft/Submission.

    Idea Boards 3.0

    Clicking on the Next/Previous buttons on View Idea pages will now respect any filters that have been applied from Idea Boards 3.0.

    System Admin Tools

    Community Admins now have access to Products/Apps pages.

    Hide Ideas after Submission option has now been moved from the Beta section to Site Setup > Ideas

  • Below is what the administrator needs to do in order to copy all design and settings to a new or existing Pipeline within Enterprise:

    Navigate to your Command Center > Products(formerly known as Apps) page and scroll down to the Duplicate tile

    Create Pipeline wizard,

    Select the existing Pipeline to copy the settings FROM, (aka the Pipeline the admin wishes to inherit the settings from.) He/she will select which properties to carry over. Select "Duplicate".

    Duplicate DOES copy the following:

    Includes:Dependent Form Questions in Submission FormPLEASE BE CAREFUL IF THERE IS A PRE-EXISTING SUBMISSION FORM WITH QUESTIONS AND ANSWERS.

    On August 14 2019, fromapproximately11pm EST until 7:30AM EST August 15th, our SSO service became unavailable for some customers.Any already signed in users or customers using Brightidea Login (Non SSO) remained unaffected but a limited amount of users thatattempted to sign inusing our SSO service were impacted.

    Root cause Analysis

    During our scheduled weekly deploy on August 14th, we deployed a change to our SSO service for capabilities to capture more detailed SSO transaction logs.This change resulted in an unexpected fatal error.

    At 11:07pm & 11:24pm EST, log files for some of our servers were rotated, the newly created log file did not have correct write permissions and threw a fatal write permission error. This resulted in our SSO service failing.

    Resolution

    We rolled back the changes made to our SSO service for additional logs.We will also be expandingour automated test coverage in this area to assure this does not happen again.

    What is the Development tool for?

    The Development tool provides the Pipeline Managers / Administrators with ability to gather and build out ideas that are chosen to move forward.

    Development question are only visible to Admins, Moderators, and Evaluators on the back-end action items view, not on View Idea page or elsewhere in the front-end of the Initiative.Regular end users can't see development questions/answers.

    The manager can then create custom Development questions to further gather information for each idea.

    Once questions and fields are set, he/she can then assign a 'Development' action item to the idea's submitter/evaluators.

    Configure the 'Development' Tool:

    To get started with the Development tool, navigate to your Pipeline Steps View >Step EllipsisMenu > Configure Development:

    In the Configure Development configuration section, the Pipeline Manager will have two options for assignment:

    NEW:Category Assignment:Administrators can configure the Development Step to assign Submissions based on Categories. If your Initiative has Categories based on departments, you can now configure one Step to filter Submissions to different Evaluators.

    An Administrator can assign different and/or same Development Lead/Team to each Category of an Initiative. Development Action Items will then trigger for the Category assigned Users only.

    If your Initiative has Categories disabled, Administrators will see a warning message informing them of their settings

    Action Items will then be assigned to all Evaluators (Development Lead and Development Team) to be completed.

    Individual Assignment:Administrators can assign all Submissions to individual Users. This assignment method is broken down as follows -

    Idea Submitter: This will assign the Development Lead to the submitter of the idea

    Selected User: This will allow the admin to select any user to be the Development Lead

    Development Lead: When configuring Development Steps, managers select a specific user to assign as Development Lead:

    Development Team (optional): The user has the option to add individual members on the Development Team

    Due Date: The manager can set the due date dynamically from date assigned or manually select a date if needed.

    Development Fields:Questions that the Development evaluators will answer

    After Administrators have assigned the User(s) to the Step, you will need to scroll down to select Development Fields to configure the question fields for this development step.

    The Pipeline Manager / Administrator has the following options for each development field:

    Include: Select whether to include this field in the development step

    Required: Option to make the field required during the development step process

    To edit the Development Fields, select the Edit Fields link in this window

    The Pipeline Manager / Administrator will be redirected to the edit submission form page in Site Setup where they can configure the development fields as needed:

    To set a submission form field for the development step, select the Development Field and save changes.

    The configured fields will appear on the Development step configuration mentioned above.

    Note: TheInstruction Text field can be used to provide additional instructions (text or image).

    Idea Editing:Assignees who are not already administrators will be able to edit some idea attributes such as idea title, description and category.

    Action Items:Cancel open action items when submission moves out of Step.

    SendAlerts:

    Daily emails will include any Action Items assigned from the previous day

    Daily, Assignees will receive a single email alert for new Action Items for that step at 9:00 a.m. (this will respect system time zone settings )

    Immediately:An email alert will be sent Immediately to each Assignee when a new Action Item is assigned.

    Daily: An email alert will be sent to each Assignee when the first Action Item is assigned. Subsequent email alerts will be sent Daily.

    Email Subject and Body: The assigner has the option to enter in any desired email subject and body text - which will be sent to the selected evaluators.

    Dynamic Fields: Allows the assigner to include dynamic fields in an Email

    Recurring Reminders:Send email reminders to assignees after X days of inactivity.

    Action Item Escalation:Notify certain recipients when an action item hasnt been completed in X days.

    Assignee's experience:

    The assignee / evaluator will receive a new Development action item to complete upon successful configuration and assignment.

    Theassignee / evaluator can complete the Development action item by filling in all required questions and selectingMark Complete or Save to finish later.

    Revision History:

    Each time a user clicks the "Save", "Mark Done", or "Mark as Complete"on theAction Item page for Development questions a version of their answers is saved in the history.

    Previous versions can be accessed in the far-right panel called "Revision History":

    The following information is stored with each version:

    The answers to all development questions.

    The user who saved the development form.

    Date and time the development form was saved.

    This development action item view displays the most recent version by default.

    Note: Answers to previous versions cannot be edited in this view

    On the the top right the dropdown menu "Revision History" displays all previous versions:

    The "Restore Revision" button allows the user to restore a previous saved version of the development answers:

    When clicked the user is redirected back to the edit view of the form with the selected version's answers pre-populated in the form:

    Note: The user cannot edit a previous version. If the user hits "Update" after loading a previous version's answers, a new version will be created.

    Please Note: Previous versions of development questions will only be available for developmentversions saved after 6/29/16.

  • Getting Started:

    Access to your WebStorm is controlled using the settings inInitiative Setup --> Site --> Security > What type of site do you want?:

    Global Navigation

    The options in Initiative setupare Public or Private.

    Private:A user must register and log in before browsing the site.

    Public: Anonymous users are allowed to browse the site without login.

    In both cases, the user must register and log in before submitting ideas / comments / votes.

    A Public Initiative means the following:

    External and non logged-in users can view all ideas (except if they are hidden) and all Challenge/Initiative pages.

    Users still need to register and login to submit ideas, comment, and vote.

    External and non logged users can view all widgets with information.

    All content in blogs will be visible if the WebStorm is public.

    Self-registration is used togather new users, but admin invites only can work with this as well.

    If site is public, the system will send the user to idea list after logout.

    If they are logging out from the homepage, the system will send them to the homepage.

    Any ideas that are hidden, will not be visible to any users - logged in or out

    An example of a public facing Initiative is our own IdeaSpace (https://ideas.brightidea.com)

    A user must log in via the login widget on the top right highlghted in green.

    Any public Initiative content is visible, but no participation can be made until users log in and/or register.

    Please refer to the section below regarding runningprivate & public Challenge/WebStorms simultaneously

    Group Restricting Private Initiatives

    To keep people sectioned off in separate Challenges/Initiative, we need to leverage group restriction within Enterprise.

    In order to effectively keep the experience of users logging into the correct Initiative allowed, we must pre-load these users in appropriategroups and provide them with the URL(s) of the Challenge/Initiative - to keep them contained in their Initiative(s).

    If we give them Enterprise login - their respective public or private Initiative will show up (if the Initiative is active, marked Enterprise, etc.)

    Group restriction is key. -If the user is not in the group, they will not have access or "see" the URL of the Initiative in any widgets, etc. You can find more information on group restriction here.

    Steps to section off restricted Challenges/WebStorms with new users:

    Import users into the system via User Import in Enterprise Setup

    Import them into the designated groups via Group Import in Enterprise Setup

    Send users email/newsletter with URL of the Initiative - informing them they must set their password with the minimum requirements.

    Once they set their password - they will login to the Initiative.

    Here are all the updates and improvements we made:

    Single Sign-On

    A major SSO issue was resolved that blocked Users from logging in. Issue was reported around August 14th at 8pm PST and resolved August 15th at 2am PST.

    Submission Form

    When all Submissions relating to a Submission Form have been deleted, Submission Form fields are now updated to show a "Remove" option. If a Submission exists that uses a Submission Form, then this option will still not appear.

    View Submission

    An issue was fixed applying Attachments to edited comments.

    Back-End Pipeline

    Rules Engine "Days in Status" option was not properly triggering. This was updated to operate correctly.

    A formatting issue was fixed when editing Rich Text fields.

    System Administration Tools

    A permissions issue was fixed with Pipeline Administrators editing Categories.

    User Home

    A formatting issue was fixed when submitting new "My Ideas".

  • The Brightidea 'User Import' feature will make the import process of your users very simple and easy.

    Please navigate to Command Center > People Pillar > Add User / Import Users:

    here.

    Once you have chosen "Import Users", a dialog box will appear prompting you with two options.

    Option 1: Download the User Import Template

    If needed, you may download our template that is required to properly import your Users. There will also be "example" users to help guide you filling out the Template correctly.

    The onlyrequiredfield will be an Email Address. However, importing a User with just an email address is not the best way to create Users. We recommend addingScreen Name, First Name, and Last Name as well.

    However, wealso recommend to also fill out important areas such the Expertise, External and Certifications fields in order for Users to get the best experience out of your Brightidea.

    The other fields are not required, but are highly encouraged to fill out as well. The more information each User has, the better engagement and experience each of your Users will have.

    Once you have downloaded the template and filled out with all your Users, save this file to your Desktop for easy access.

    Option 2: Select your Completed Template

    If you already have a template that is ready for import, or you have completed your recently downloaded template, you can choose this file for your Brightidea.

    Also note, you can choose to send an email to all your newly imported Users to inform them of their newly acquired access.

    Once the importer has finished running, you will see a new dialog box of your successful import!

    Important things to Note:

    Additional Profile Fields can be imported via User Import

    If you prefer to just add one user at a time, check out our functionality for Create New User

    The groups field does not overwrite with subsequent imports,any new data is appended.

    Administrators can upload profile images within the User Import.

    In the template, there is a column for 'Profile Photo URL'.

    The administrator can enter in apubliclyaccessible URL that leads to the respective users' photo

    This photo cannot be an internal URL from your organization if it requires authentication to view.

    If the administrator does not want any photos to imported, please leave all cells empty.

    The Import Wizard will prompt the administrator if it finds duplicate emails already in the system or error'ed email addresses.

    Brightidea recommends no more than500 rowsper each import to alleviate any delay into importing.

    No emails or triggers are sent to anyone - once users are imported.

    Here are all the updates and improvements we made:

    Submission Form & Builder

    Points that were incorrectly showing for questions on Submission Form Builder were removed.

    A conflict using AdBlocker was resolved when on Post Idea 2.0 pages.

    An issue was preventing Submission Form from loading when the Label Editor was enabled. This was resolved by our Engineering team.

    Business Impact Export

    A few columns were displaying incorrectly when exported. We were able to quickly resolve this issue.

    Idea Boards

    Idea Ranking was fixed for Initiatives that were showing incorrectly. This was fixed by our Engineering team.

    Back-End Pipeline

    An issue with quotations showing in Scorecard titles was resolved.

    For a specific Pipeline, the Submission count was displaying incorrectly. We were able to resolve this issue.

    Mobile

    Fixed some display issues with Mobile search.

    Fixed a design issue when commenting.

    An issue with Idea Images showing on View Idea was fixed.

    Hidden Submission Form questions were showing, this was resolved going forward.

    User Profile

    An issue with Expertise being applied when using Internet Explorer browser was resolved.

  • How to Deactivatea User:

    To "deactivate" means you wish to keep your users statistics intact - this is in regards with votes, ideas submissions, and all activity.

    Navigate to Enterprise Setup > Users > Manage

    Conduct a search for your respective user.

    Once their basic profile comes up, select "Deactivate User" to the right.

    This can be undone by re-selecting the same box to "Reactivate" them - allowing the user to log back in to the system.

    To PermanentlyDeletea User:

    To delete a user means that you wish to completely remove a user - including all of their activity (ideas, comments, etc.) from Brightidea

    Select Users > Manage

    Conduct a search for your respective user.

    Once their basic profile comes up, select "Delete User" on the right.

    Please Note: This cannot be reverted - all deletions are final.

    What is the 'Daily / Weekly' email digest feature?

    Answer:

    The email digest feature (available on both Initiative and Enterprise levels) allows users to minimize the amount of emails received due to activity. The email digest rolls up certain activity and sends on a certain date or time with a summation of all activity placed within that time period.

    The digest email summary includes the content of the following email templates in Brightidea:

    Idea Submission confirmation emails

    Comment Notification emails

    Status Change Emails

    Category Change Emails

    Note: To have this feature working on the Initiative level, Administrators need to enable it on the Enterprise level

    Under Enterprise or Site Setup > Site > General Settingsis where the Administrator can enable options for users to choose in their profile in regards to email settings.

    They can select a Daily or Weekly Email digest that will show their activity in Initiative or Enterprise.

    This enables the OPTION for users to choose, it does not force them to follow this regimen.

    For example: If you enable both Daily and Weekly Digest at 5AM and on a Monday, these will be the default options when a user edits their profile.

    However, this does NOT mean users will automatically inherit this setting. They need to choose it for themselves.

    Users can also change the day and time accordingly in their profile.

    For Enterprise profiles, system administrators must enable options on BOTH Enterprise and Initiative level.

    Important things to Note:

    Only certain emails (mentioned above) are roped into the digest emails. Other emails will be sent directly to the user regardless of the digest settings.

    The digest email feature does not support custom time-zone settings, all digests will go out according to Eastern Standard Time only!

    If using Enterprise profiles, once email digest options are enabled within Enterprise, it will be for everyone who uses Enterprise profiles, they will have the option to enable it in their "My Profile"

    We also have the Initiative level options in case there is no Enterprise system active.

    So for Initiative where the admin has them not affiliated with Enterprise and do not use Enterprise profiles, they have the option as well.

    As of now, users need tochoosethat option in their profile, we cannot mass default or update unfortunately.

    For an example on how email digests work with changing the templates associated with them:10:00pm - User A submits an idea inInitiative

    10:01pm - Email confirmation gets queued up in User A's digest. The email template on that confirmation says "ABC"

    10:05pm - Admin goes into Setup and change the template to DEF

    10:10pm - User A submits another idea intoInitiative

    10:11pm - Email confirmation gets queued up User A's digest. The email template on that confirmation says "DEF"

    11:00pm - The time arrives for User A's digest to send my summary email, User A has two emails, one that says "ABC" and one that says "DEF"

    So when the change is made, it will only effect going forward emails.

    Getting Started

    To get started select the "People" icon from the menu bar on top

    Users

    Within this view the IPM can see a list of all users in their system.

    The IPM can sort user information based on:

    Name

    Screen Name

    Email Address

    Account Status

    The IPM also has the option to search for users by:

    Name

    Screen Name

    Email

    Next to the search bar, the total amount of registered users in the system will be displayed.

    Once the IPM searches for a user they can click on either the Name, Screen Name, or Email to view user profile information

    On the User page the IPM can view information such as Key Metrics specific to the the user, Expertise and Endorsements, and Certifications.

    Key Metrics include:

    Overall Contribution: This is a percentile rank of the user based on reputation points.

    Challenge Participation Rate: This is a percentile of the number of challenges that the user participated in (either vote, comment, or submitted idea), divided by the total number of challenges that the user is in the user access groups.

    Evaluation Participation Rate: This is a percentileof evaluation action items (Review, Single Scale, or Scorecard) that the user completed divided by the total number of evaluation action items that have been assigned to the user.

    Complete Projects: This is the total number of projects with a Completed system status that the user is either on the project team or is project lead.

    Tracked Outcomes:This is a sum total of revenues and cost savings for projects that the user is either on the project team or is project lead.

    Administrators can also add certifications to each user selected, users will now be able to view their certifications on their Enterprise profile page:

    In addition, Users that receive certifications will be notified via email. This email can be configured under Enterprise Setup > Site > System Email Messages > Certification Received

    Administrators

    The administrator tab provides a list of users who are configured under an 'administrator' type user role on your Brightidea site.

    Under this tab, the administrator(s) can see a total count of current administrator(s) and also see what Pipeline/Challenge the user is actually configured an administrator in.

    Please note, this section supports a maximum of 350 administrators.

    Also, it excludes any Brightidea employee administrators you might have configured on your site.

    The "Summary of Max # of Administrators" section provides the previous administrator license counts for the past 10 months.

    Add / Import Users

    The Import Users feature allows the IPM to directly import users from the Command Center.

    To get started select "Import Users"from the dropdown on the top right.

    First select"Download Template"

    Please check that email and screen name are confirmed

    Please remove all spaces and special characters from email addresses and/or screen names

    Confirm the settings of the Excel template.

    Make sure the completed template is saved as a.xlsx or .xls file

    Save the file to desktop

    Back on the user import, select"ChooseFile" and select the recently saved file.

    Once selected, the User Import will automatically scan the import and give the administrator a preview before finalizing the import.

    IPM's also have the option to "Include Invite Email"for all newly imported users - More on this below.

    Once the upload is complete the IPM will receive confirmation that all users were successfully uploaded.

    The IPM can also add individual users by selecting "Add User"

    In this tab the IPM can add user profile fields, additional profile fields, add the user as an administrator, and send an email invite to the user.

    Update Existing User Profiles

    The user import functionality alsoallows user profile fields to be updated via the user import.

    To update a user profile via import select the same import template that is used to import new users.

    Note: The groups field does not overwrite with subsequent imports,any new data is appended.

    Note: In some cases new values are created for profile fields if they do not exist already - e.g. dropdown fields or checkbox fields.

    All Profile fields can be updated in the template except the "Email"field.

    The email address is used as the main account identifier to update account.

    Note:In order to update user profiles the user email must remain the same (as the one that already exists on the user(s) profiles).

    Fill in the updated profile data and run the import.

    Once the file is imported the IPM will receive confirmation that all users were successfully updated.

    The updates willpopulate the user's profile fields.

    Certifications

    The Certifications tab allows the IPM to configure certifications that can be added to user profiles.

    To create a new certification type in the name of the new certification and click the color icon

    After the color is configured click the "plus" icon to add the certification

    After the certification is added to the list remember to click "Save"

    Once the certification is added to the certifications list the IPM will be able to add/edit certifications to user profiles in the "Users" tab.

    After that option is selected the IPM can add new certifications to user profiles.

    When done adding/editing select "Update"

    Invite Email

    A new feature of user import within the Control Panel is the option to send invite emails to all newly imported/added users.

    To get started click on the "Invite Email" tab

    Within this view the IPM can configure the email template that is sent to all new users including:

    Uploading a Logo/Image

    Setting the Border/Button Colors

    Creating the content for the email Subject and Body

    The IPM has the option to add dynamic fields to the template by selecting one from the dynamic field dropdown and then selecting the "plus" icon.

    Once template is saved the IPM can send a test email to ensure that everything is displaying correctly by selecting "Send Test Email"

  • Brightidea has removed support for TLS 1.0 (as of July 1st, 2017) and will remove support for TLS 1.1encryption onFebruary1st 2019.

    Brightidea will requireTLS 1.2 or higher for all connections after February 1st 2019.

    What is TLS?TLS stands for Transport Layer Security. It is a protocol that provides privacy and data integrity between two communicating applications. Its the most widely deployed security protocol used today, and is used for web browsers and other applications that require data to be securely exchanged over a network. TLS ensures that a connection to a remote endpoint is the intended endpoint through encryption and endpoint identity verification.

    Why is this happening?

    Transport Layer Security (TLS) 1.0 and 1.1 are old protocols used for encrypting communications between a browser and a web server. TLS 1.0 and 1.1 have a number of potential vulnerabilities and is no longer considered to be secure.

    What is the change?

    Brightideais disablingsupport for the TLS 1.0/1.1 encryption protocol. Any attempt to access Brightidea using TLS 1.0/1.1 will result in an error page and the connection will fail.

    How will customers be impacted?

    TLS v1.2or above must be enabled as ofFebruary 1st, 2019in an effort to maintain the highest security standards and promote the safety of Brightidea customer data.

    What needs to be done?

    If you and your users are already using up-to-date browser versions and web application tools, you are probably already using TLS 1.2 or later so nothing needs to be done!

    For older versions of Internet Explorer:

    This mainly affectsIE 9 and 10 only since other browsersdon'tuse TLS 1.0/1.1.

    Internet Explorer 10 and belowusers will need to be configured to allow TLS 1.2:

    Go to Tools and select Internet Options

    Select the Advanced tab in Internet Options

    Enable (check) "Use TLS 1.2"

    Click OK

    Any custom APIapplications will not be able to access the BrightideaAPI if they do not support TLS 1.2 or above. Suchapplications must be upgraded as well.

  • Within Pipeline Managementand View Idea 2.0 page, certain Users are able to link submissions. This allows Users to create distinct relationships between the Submissions that are coming in - as well as create shortcuts to ideas that are similar. Let's see the information below!

    Linking Submissions Via Pipeline

    In Pipeline, Submissions can be linked from both Step View and List View

    Step View

    To Link Submissions from the Step View, Administrators can select two or more Submissions and either click the "Actions" button or right click and then select "Link Submissions"

    Note: Within the Steps view, the Submissions must be selected at the same time (with shift key) to link them:

    Depending on what you have set as your Submission name within Site Setup > Ideas > Ideas, you may see this labeled differently.

    Once "Link Submissions" is selected Administrators will see a pop up box to confirm linking the submissions

    To confirm click "Link Submissions"

    After "Link Submissions" is submitted the User will see a pop up to confirm that the ideas have been linked

    List View

    To Link Submissions from List View, Administrators can highlight the submissions by selecting the checkbox in the left column and then click the "Actions" button, or right-clicking and then select "Link Ideas"

    Note:Depending on what you have set as your Submission name within Site Setup > Ideas > Ideas, you may see this labeled differently.

    Within List View, Administrators have the ability to view Linked Submissions within that Pipeline.

    To view Submissions that are linked make sure that "Linked Submissions" is an enabled column in the List View by selecting "Link Submissions" from the ellipsis (three-dot) icon:

    The Administrator will now be able to see which submissions are linked in List View

    Linking Ideas Via "Submissions Details" Widget

    On the View Submissions page Users can view linked submissions with the "Submission Details" widget:

    Submitters and Submission Teams can link their own Submissions, while Administrators can link any Submission.

    To link submissions with the "Submission Details" widget hover over the "Linked Submission" section of the widget and click the pencil icon:

    Within this view, the Users can link additional Submissions:

    Also, within this view, Users can also unlink submissions by hovering over any of the linked submissions and clicking on the"X" icon.

    When finished linking/unlinking ideas click "Save Changes":

    Important Things to Note:

    The submissions will be noted to be linkedfor both administrators and end users.

    NEW - You can now link any Submission to one another across all Initiatives! If there is a Submission that provides great value to another Submission, but they are both in separate Initiatives, you can now link them to each other!

    Comments on linked submissions are not shared, they are respective to the submission they were made on.

    Linking submission(s) does not change any points or change idea ownership

    The system will trigger the "Link Idea Notification" email template to all respective idea submitters - when ideas are linked

    There is no limit to how many submissions you can link in Pipeline or View Idea 2.0 page.

    There is no current API for linked submissions.

    Linking submissions have no affect on action itemscores and/or the evaluation process - It is just a reference to submissions for better decision making.

  • Each Brightidea can upload their own Favicon through Enterprise and Initiative setups. When a User is on an Enterprise level page, they will see the Enterprise icon - Initiative level will show an Initiative icon.

    Initiative level icons will always supersede Enterprise level icons.

    NEW:The Favicon feature has been updated to a new version. However, affiliates that were created before June 2019 may not have this feature enabled by default.

    Contact your Customer Success Manager or our Support department and one of our team members can quickly enable this for you.

    Initiative/Enterprise - Your favicon can be uploaded in Setup > Site > Design

    The icon should be small in size so it will display in the tabs of your browser whenever a user is on your Site page.Your favicon file must be an .ico file 16px x 16px.

    Administrators can also disable your Favicon by selecting: "Do not use a Favicon"

  • This articleprovides an overview ofhow to design and implement custom CSS for your Brightidea.

    Before we begin, please note that some options should only be used with knowledge of HTML/CSS/Javascript. The Design tab in Enterprise/Site allows the administrator to fully implement any custom design andgives great flexibility to your Brightidea site.

    To access the Design section, navigate to:

    Enterprise / Site Setup > Site > Design

    Banner

    There are three options you can use for your banner:

    HTML/CSS/Java Experience recommended when using this option.

    Hide Enterprise Banner (No banner will display)

    Image: Upload an Image from a file on your computer to use as the banner.

    HTML: Custom HTML (This is for a custom Banner/Navigation)

    Footer HTML

    Designers have an easy way to apply footers to the bottom of pages in Brightidea.

    By using some basic HTML code, the footer can be customized and designed as needed

    Input any Text/HTML to display in the footer and save changes to take affect.

    Remember this will show up on every page above the Initiative logo, including the login page.

    Favicon Icon (Initiative/Site)

    A Favicon is an Icon that represents your website will show up in the tab of your browser. Usually its a company logo.

    The Favicon file should be an .ICO file.

    Recommended size should be 16x16 pixels.

    Stylesheets/Presets/Color Picker

    Presets/Color picker: Preset color palette default templates with allow the administrator to quickly select different color schemes.

    The Color picker will populate to the set colors. You can change colors accordingly in the picker if desired.

    You are able to enter any HEX code and are not limited to just the colors in the picker input field:

    At the Initiative/Site Level

    Note: Headers will not be inherited by your Enterprise CSS. Headers are controlled from the individual Site level.

    Enable Enterprise CSS Selecting this will apply the Custom CSS Design from the Enterprise level design configuration at any Site level.

    Custom CSS

    The goal of the Design tab is to be able to work with your Custom CSS directly in the browser making your changes in this text field without needing to upload CSS files.

    Here, you are able to enter your custom styled CSS code that will apply to your Brightidea site:

    IMPORTANT

    It is very important to understand the formatting hierarchy in order to comprehend how the CSS is generated on your Brightidea site:

    First, theres a barebones default template already in place (Brightidea core CSS code)

    Second, Color picker values are selected

    Third, Custom CSS entered into the text box, then any external CSS files uploads.

    Make sure to always Save any changes in the Design tab before navigating away from the page!

    By default, all Initiatives will have the Subscribe button enabled on the Homepage banner after the Initiative is created.

    However, if your Subscribe button is disabled and you would like to enable, you can turn on your Widget Editor and click the edit icon within the Homepage banner.

    Underneath the banner a configuration menu will appear allowing you to toggle the Subscribe button on/off.

    Subscribing to a Submission/Category

    As a user, you can subscribe to receive updates onSubmission(s).

    Go to the View Submission page by selecting an idea from the Idea List or "Browse Ideas" pages.

    On the View Idea page, you will see a green subscribe button on the right-top corner of the page.

    If you've already subscribed to this idea, this button will then say unsubscribe.

    After you subscribe to an idea, you will receive an email every time -

    Status of the idea is changed

    A comment is made on the idea

    A comment is edited on the idea

    WebStorm of the idea is changed

    If you subscribe to anidea category, you will receive updates about -

    New idea has been submitted to that category - will trigger the 'New Idea Category Alert' template

    New comments to ideas under a category. - will trigger the 'New Comment on Subscribed Idea' template

    Enabling the Option

    To enable Submission and/or Category Subscription, the administrator must make sure the option is enabled first in WebStorm Setup:

    Site Setup > Ideas > Ideas > Category and Idea Subscription

    Administrators subscribing other Users to Submissions

    If the option "Enable admin ability to subscribe other users" is enabled, then Admins have the ability to Subscribe other Users to Submissions. Admins will see an updated Subscribe option which allows for them to search for specific Users.

    Enable site babysitter so user can be cc'd on all emails being sent out from the system

    Most content on Challenge/Site pages are displayed using various types of units called "Widgets"

    There are scores of widgets available, and they are used to display both static and dynamic content.

    The administrator is able to then modify individual pages by adding and deleting widgets, and arrange the layout by simply dragging and dropping widgets.

    Here is a step by step on how to turn on widget setup mode in Enterprise and Challenge/Site levels.

    Adding Widgets to your Brightidea Page

    Administrators will see a gear icon appear on the bottom lefton all pages.

    Click on the gear icon, and turn Widget Editor on.

    Select any of the widgets available in the drop-down under 'Choose Widget,' then click onthe '+' button:

    The widget will then appear on the page.

    Once added, administrator(s) can drag any widget (by selecting and holding the title bar) to any area within the page.

    The administrator will see a blue lineright before they drop the widget to alert you where the widget will go.

    After dropping the widget, end users will immediately be able to see the updated page.

    Deleting Widgets

    To delete any widget, hover over it andselect the trash can icon at the top right to remove it from the page.

    Once deleted, it will be reflected for all users.

    Changing Widget Titles

    On any widget, hover and select the pencil icon to change the title and updatetext.

    Administrators can make any updatesneeded in the title bar.

    Click onthe pencilicon again to save changes.

    Hiding Titles in Widgets

    To hide the title of your widget, hover over and clickthe middle checkmark icon.

    If it isa checkmark, the title will show.

    If it is an empty square, the title will be hidden.

    Note: WhenWidget Editor is enabled, administratorswill still be able to see the title, but end users will now.

    Oncethe title of a widget is hidden, end users andadministrators will not see the title whenWidget Editoris disabled.

    Using Label Edit Mode

    Please see this article regarding label edit mode to make text changes of your widgets.

    Enterprise Widgets vs. Challenge/Site Widgets

    The widgets on the Challenge/Site level are respective to the activity placed within the confines of that Site.

    Therefore, if only four people conducted activity with Site A, but not Site B, then those four peoples' activities (idea submissions, comments, votes) show up accordingly within Site A's statistics and widgets.

    Enterprise level widgets accounts for all activity of underlying Sites'marked Enterprisein their setup.

    Some widgets exist on both levels (My Stats, Community Stats, Mini Top Contributors, etc.)

    Important Things to Note:

    Administrators can also search within the Widgets section in the Support Portal Knowledge Base

    The administrator can achieve custom look-and-feel of widgets, including rounded edges, with a custom CSS design.

    The administrator can copy widgets to other Sites via Copy Site feature or Create Pipeline/Site.

    Administrators cannot add widgets to the Setup page or Post Idea pages.

    If 'Widget Editor' is enabled for an administrator, any end users logged in at the same time will not see the options available for widget mode.

    Administrators can add Javascript in text/html widgets to add to your Site.

    There isto disable Javascript in text/html widgets.
