Delete a value completely from a field (setting it to null)
Here's the solution to update a field to a blank (null) value.
Set the value of the field that you want to make null to :empty: and then run your update.
Note:
Leaving the cell empty does not update a field value to blank.
This works only for body level fields.

Step 1: Copy the ENTIRE following command into your notebook or blank Microsoft word doc:

Step 2: Go to your C drive by clicking the Windows "Start" menu and typing "Windows Explorer." Windows Explorer opens. On the left side of the window is an icon named "Local Disk (C)." Double-click that icon to view the contents on your "C" drive.
Step 3: Double click the “Users” folder and find the folder with your name on it.
Step 4: Copy exactly how your name is displayed and paste it into the command in step one where it says “username”. So it should now be displayed similar to the following:

Step 5: Click the Windows "Start" menu and type “CMD”. Click on Command Prompt. Paste the entire command from step 4 there.
Step 6: Once the command is done running, go back to Excel, open a fresh worksheet and try to login to CloudExtend.

View ArticleIf you prefer to see the email under your Gmail subtab or see your Google docs sub tab on a custom record, you can ask your NetSuite Admin to follow these steps in order to enable the Gmail/GDrive subtab for your custom records:
Step 1: Navigate to Customization->Scripting->Scripts->List
Step 2: Search for “Celigo Gmail Gdocs Sub Tab”. Click ‘Edit’ next to the script.
Note : In some accounts you may not find the "Edit" button, in such cases you can click on "Deploy" button to make the suggested changes and then save.
Step 3: Under deployments, add the custom record types on which you want the Gmail/GDrive Subtab and click Save. And you should be able to see the Gmail/Gdrive subtab under your custom record type.
You need to have a valid GDrive license for the Gdrive subtab to appear on your NetSuite interface
View ArticleNetSuite requires that attached emails have a matching Sender and Recipient in NetSuite. These could be Employee or Contact records. Previously CloudExtend would automatically create missing contacts resulting in contacts with no company affiliation and often missing name information.
This will still be the default behavior of the App, however, with our latest update (CloudExtend Gmail v3.5.0.0), users have an option to override this and prevent CloudExtend from automatically creating missing contacts when sender and recipient entities are missing in NetSuite. Instead, they will be able to override by selecting an existing NetSuite contact/employee or even create their own contact with rich data before attaching the email. This is available as a setting in Gmail Extension and when unchecked, user attaching the mail to NetSuite record will be presented an option to select the sender/recipient entity records.

The auto create setting is checked by default, so that for the existing users there is no change in mail attachment steps in CloudExtend.
When the setting is unchecked and a user attaches an email without a matching sender or recipient in NetSuite, they will be presented with the notification as shown below, guiding them toward selecting existing contacts as a sender/recipient or creating a new contact before they can attach the email to NetSuite.
Attaching emails to NetSuite when setting is unchecked :
If auto create setting is unchecked and CloudExtend finds that the required sender and recipient entities are not available, users will see the panel asking to select sender/recipient entities as shown below
Update steps to attach email with entity selection:
1) Click on "SELECT SENDER/RECIPIENT"
2 & 3) Select from suggested sender/recipient entities or create new contacts
4) Click "CONTINUE" to confirm selection
5) Select record type to attach to
6) "SAVE EMAIL"
Selecting Sender/Recipient when CloudExtend cannot create contacts automatically :
This happens when the email id of the sender/recipient is more than 64 characters and in such cases CloudExtend will show the panel where user can select the required entities and proceed with mail attachment.
This is typical with email Id automatically framed by NetSuite when an email communication is initiated from NetSuite .

Users can also manually trigger the panel, in case they want to choose a different sender/recipient when attaching the mail, by clicking on the icon as shown below

Authorize CloudExtend Gmail
This option enables you to access Gmail from NetSuite (a Gmail subsection is available in the NetSuite records). You will receive the following email message after you click Authorize.
App Preferences :
Auto-load the App
When Enabled - The App will load automatically when Gmail page is refreshed.
When Disabled - The App will load in minimized state and will open when the user presses the Celigo logo button in the mail.
Auto-fetch related records
When this setting is enabled, and whenever an email is opened, CloudExtend app automatically searches for sender, recipient, CC emails, and any number greater than 4 digits (using NetSuite Global search to populate the relevant records).When this setting is disabled, user needs to click on the Celigo “O” button to fetch the related records.
Sync Preferences:
Include attachments by default :
Enable this to to set up the App to include attachments by default on each email.
Auto create missing Sender/Recipient :
When this is enabled CloudExtend will a for missing sender/recipient entities in NetSuite .
When this setting is unchecked, users will be required to select a matching entities from NetSuite as sender/recipient entities or create a new contact before they can attach email to NetSuite records

CloudExtend Excel can now dynamically identify picklist values while you type data into sheet.
Example : If you have an account number “44551 Salaries”, with this new enhancement, you can just enter “44551” in Excel cell while entering your data and CloudExtend will fetch the complete picklist value from NetSuite and update the cell dynamically. If it finds multiple matches for entered value, user will be alerted to pick the correct value by clicking on the view picklist values in task pane.
Users will see the following visual cues to know if a picklist value is automatically identified or not.

Turns normal once lookup is done and successful
Turns yellow if there is no match or there are multiple matches (i.e. when manual intervention is required).

View ArticleBy default the master CloudExtend license is given for a specific domain and the end users should be logged into both their Gmail and NetSuite with the same email address (and same domain). If your organization has multiple domains and requires users from these domains to have access the options below may work for you.
Option 1 - Gmail Only with different domains
The Gmail component of CloudExtend will work fine even if there are different domains like joe@xyz. com and [email protected] as long as both these Emails have a full NS license and CloudExtend license enabled in the setup. If you don’t have unique licenses for each then read below.
Option 2 - Full Suite (Gmail, Calendar, Drive) with different domains
When connecting other components (G Drive and Calendar) we only officially support granting access to one domain. If you are an organization with multiple domains, there are a few cases where you can configure your G Suite account to make CloudExtend work with multiple domains as long as your domains are set as aliases of the primary domain and not independent domains.
Multiple Domains as an alias of a primary domain :
The following works only if you have multiple domains as aliases on the same G Suite account. If you have multiple domains independent of each other, the following will not work (see screenshot below of an alias domain in G Suite Admin Portal)
Create a mapping record
Following are the steps to make the full CloudExtend Suite work with multiple domains when your are using domain aliases
1) Your Google Apps Super Admin should select the Primary Domain while granting access to G Suite in Step #1 of CloudExtend Setup
2) For Gmail, end users should use the Gmail extension on the primary domain (emails from the alias domain can be forwarded to the primary domain to avoid logging in to two different Gmail accounts).
3) in NetSuite if the employee record has alias domain email
Example :
Google Configuration
1) For employees with cloudextend.io, they should have an alias email on celigo.io
2) Employees by default login into their celigo.io domain and have all emails from [email protected] forwarded to [email protected].
NetSuite Configuration
Employees can have an employee record with celigo.io or cloudextend.io as their email domain
If they have celigo.io in their employee record no additional steps are required and all CloudExtend components will work.
If they want to login using cloudextend.io, a mapping record needs to be created between cloudextend.io<->celigo.io
Super admin should have given oAuth using celigo.io.
Multiple Domains independent of each other on different G Suite accounts:
Under this setup only Gmail component will work, as long as the email has NS license and CloudExtend license is enabled in the setup
Example.
Let's say you have users with celigo.in and celigo.com domains and you have given oAuth for celigo.com
Under this setup, celigo.com users will have access to entire CE Suite while celigo.in users will only gmail access, when the employee id with celigo.in is given license in CE setup

View ArticleCloudExtend Excel for NetSuite Office Add-in currently uses NetSuite WSDL version 2016.2 to interact with NetSuite. This version of NetSuite API has an issue retrieving the list of Saved Searches, if that particular record has more than 1000 Saved Searches.
This issue may be fixed in the most recent releases of NetSuite API and Celigo is working on bringing you this feature as soon as possible. Do look out for an announcement via our release updates here.
As a work around, you can try creating a template and download the records by applying filters that mimic your saved search filters and import the records into your Excel worksheet.

View ArticleCloudExtend Excel for NetSuite uploads and download the records in batches of 50 at a time for upload and 25 for download. CloudExtend doesn't have a fixed ceiling on the number of records it could upload. If you try to upload 1000 records, CloudExtend will do so by picking up 50 records at a time.
NetSuite, however, has a 5MB limit on the total size of the request/response it will accept. This size would depend on a combination of factors: number of records in the batch (fixed at 50), Number of fields, and the contents of those fields. Sometimes even though the number of records uploaded/download are less, the Web Services request sent to NetSuite may cross 5MB,in such cases you will see this error "response stream exceeded limit of 5242880 bytes"
You can resolve this by decreasing the default upload/download batch size in CloudExtend by creating a custom record in NetSuite by following these steps

Please work with your NetSuite Administrator to create the Custom Record per the instructions below. Once the Custom Record is created you can add records to it that allow you to override certain default CloudExtend settings. Please note these settings are global and will affect all CloudExtend Excel for NetSuite users.

Create a SmartClient Setting Custom Record with following details.
We suggest you copy/paste the record and field names below as they must match exactly.
Record Name: Excel SmartClient Custom Settings
id: _celigo_sc_setting (You must include all the “_”’s. Please note NetSuite will automatically add the text ‘custom record’ in front of your field name. After the record is saved the Field Id will read as customrecord_celigo_sc_setting).

Once the record is created add the following values to a new record. Note, leaving a value empty will result in the SmartClient using default settings. The values below should be entered into the Record Name field and the field ‘SmartClient Setting’ will hold the actual values.

*Celigo recommends that batch size value is above 10 and below 50 . A higher value of batch size may result in upload timeouts. Default batch sizes are 50.
Modifying the data operations batch sizes for CloudExtend Excel for NetSuite
The SmartClient uploads and download the records in batches of 50 at a time by default, however NetSuite administrators can change the default upload/download batch size of SmartClient by modifying the custom record created above.
Example: In order to override the Upload batch size
Create a customrecord_celigo_sc_setting with the name of the setting (uploadBatchSize)
Set the custrecord_sc_setting_value field value to the new value (the image below shows the value set at 25)
Configuring CloudExtend Excel for NetSuite to treat warnings as errors
When CloudExtend encounters a Warning from NetSuite (such as ‘Vendor Credit Limit exceeded)it performs the requested action and shows the warning in “Yellow” text in the reserved column. With this setting you can enable add-in to treat those warnings as errors and stop CloudExtend from performing the action. CloudExtend Excel for NetSuite will return an error in red text
Example: To treat warnings as errors do the following:

For PC Users
These should be set in your Internet Explorer Browser (on PC) as Microsoft Excel Add-in uses Internet Explorer as the browser behind the scenes.
Cache Settings:
You can change your Cache settings by following the below steps . On your Internet Explorer,Open Internet Options,which should open a popup as below
Here click on "Settings" button(highlighted in red in above image), which should open another pop up as shown below
In the above window,Set "Notify me when a website cache or database exceeds" value to 250 MB.
SmartClient today caches a lot of Metadata from NetSuite including Standard and Custom Record Types, Record fields and pick lists in browser cache, so that we don't make a call to NetSuite every time you fetch this frequently used data. Celigo is continuously working to optimize this approach and the amount and of data we cache in your browser and will try to reduce this size requirement in future
Note : Some versions of Internet Explorer browsers does not have this option, in such a case you can ignore this setting
Cookie Settings
On your Internet Explorer,Open Internet Options,Privacy Tab, which should look like below
Here, click on the "Sites" button, which should open a window as shown below
Here you should find smartclient.io as Always Allow . If it is not the case, in the "Address of Website" text box, add https://smartclient.io and click “Allow” Button and Click OK. You will see a pop up as below
Now click on Advanced Button, it will open a pop up as below
Here ensure that, your settings match the ones as show above.
Accept First-party cookies,

Check Always allow session cookies
Click OK in all popups and Login to CloudExtend Excel for NetSuite Add-in

View ArticleHere are the steps to sideload CloudExtend Excel Add-in on your Windows desktop
Step 1: Share a Folder
On the Windows computer where you want to host your add-in, go to the parent folder, or drive letter, and create a folder there.
Open the context menu for the newly created folder (right-click) and choose Properties.
Open the Sharing tab.
On the Choose people ... page, add yourself and and anyone else with whom you want to share your add-in. If they are all members of a security group, you can add the group. You will need at least Read/Write permission to the folder.
Choose Share > Done > Close
Step 2:Specify the shared folder as a trusted catalog
Open a new document in Excel
Choose the File tab, and then choose Options.
Choose Trust Center, and then choose the Trust Center Settings button.
Choose Trusted Add-in Catalogs.
In the Catalog Url box, enter the full network path to the shared folder catalog, and then choose Add Catalog.
Select the Show in Menu check box, and then choose OK.
Close the Office application so your changes will take effect
Step 3: Sideload your Add-in
Put the manifest file of any add-in that you are testing in the shared folder catalog. Note that you deploy the web application itself to a web server. Be sure to specify the URL in the SourceLocation element of the manifest file.
In Excel, select My Add-ins on the Insert tab of the ribbon.
Choose SHARED FOLDER at the top of the Office Add-ins dialog box.
Select the name of the add-in and choose OK to insert the add-in.
View ArticleSingle sign-on (SSO) allows users to go directly from an external user-authenticating application to NetSuite without having to separately log into NetSuite. This feature allows a one-way trust relationship to be established between the external application and NetSuite, so that after users present login credentials to the external application, they can gain access to NetSuite as well.
Currently CloudExtend Excel for NetSuite does not support login using SSO as it more of a hybrid user interface/machine to machine communications tool allowing for data to flow in the foreground and background. We are currently working to enhance the login process with Token Based Authentication (TBA)and this capability will be rolled out to Enterprise Edition customers soon. With TBA, enterprise licensed users will no longer be required to use their credentials to connect their NetSuite Account with SmartClient.
Recommended Process
We recommend the following process which maintains the SSO (and prevents username/password from being used) for any user logging in to www.netsuite.com while also preserving the machine to machine communications required by CloudExtend by allowing the user to use standard credentials securely.
Clone the role your NetSuite user would normally login under.

View ArticleIf you want to use the CloudExtend Excel to update the price of an item(s) on a NetSuite record, the Picklist will not display a “Custom” value in the drop down list due to a NetSuite WebServices limitation. Tocustomize a price level do the following:
In the Item List: Price column, enter [[-1]] and enter in the Custom Rate in the Item List: Rate column. Click Update and then Insert/Update on the add-in toolbar. CloudExtend will then create or update that recordwith the Custom Price level.
Note: -1 is the NetSuite internal ID for Custom Price.

After your trial period is complete, you have an option to subscribe to Enterprise Edition and continue using those features or subscribe to Personal Edition with subset of features.

Why am I not able to change the NetSuite Production Account ID in my CloudExtend Excel for NetSuite PersonalEdition?
Your Personal Edition subscription is tied to your Email address and NetSuite Production Account ID. Once you subscribe with one NetSuite Production ID you will not be able to change it. However, if you have signed up with a wrong Production Account ID and want to change it, please create a support ticket at Celigo Support Site.
Note: Celigo does not encourage frequent modifications to the connected NetSuite ID.
How do I change the status of my NetSuite production account from OneWorld to non OneWorld account?
You can change from 'My Account' Setting in the menu. In Account Settings, click on 'Change Role' and you will be taken to a screen where you can update your OneWorld settings.

The vast majority of record types in the list are already supported in CloudExtend. CloudExtend supports all field types including freeform text, pick list and date time fields. While uploading data from Excel, you can use the default 'datetime' format as supported by Excel. Read-only fields cannot be updated using CloudExtend .

In NetSuite, go to Support->Go to SuiteAnswers.
It will open a page that looks like this

How do I cancel my trial or subscription to CloudExtend Excel for NetSuite Personal Edition?
You can cancel your Personal Edition subscription from the Add-in. From the left menu, navigate to the 'Account Settings' option. There, you will see the options as below:
Click “VIEW SUBSCRIPTION”, you will be taken to a page as shown in the following example:
At the end of the page, look for Timeline and you can see the 'Cancel Subscription' option there.
Click on 'Cancel Immediately' to cancel your trial. Your subscription will be cancelled and you will not be charged any more. NOTE: Subscription cancellations are not prorated.
View ArticleUsers can share the CloudExtend templates simply by sharing their Workbook with other users over an Email or in an Instant Messenger.
If as a NetSuite Admin, you want your licensed users to use a particular template for CloudExtend Excel data operations, follow these steps:
1) Load a template from CloudExtend task pane.
2) Change the header row names to reflect the NetSuite interface naming convention.
3) Save this file as an Excel Template.
4) Now place this template in a shared path accessible to all the licensed users in your organization
Licensed users would just need to download this template file, Save as an Excel Workbook ( Click here for instructions on how to save as an Excel Workbook) on their local systems. This file will have the CloudExtend embedded along with the template you wanted to share.
User can login using their credentials and start using the template.
In case there is a change in the template columns, update the Excel template file with new columns and place in the shared folders. Users can download this new template file and start working with the new CloudExtend template.

Admin Settingssection enables you to manage product licenses and product users. Two subsections are present: Manage Licenses, Manage Admin Users.
All your active subscriptions are displayed here. Click on “Manage Licenses” where enterprise admins can manage the NetSuite accounts to which to licensed users can connect to via CloudExtend Excel and alsoadd/remove licensed users.

Here are the Steps to get started
1) Click on Manage Licenses to see all your Subscriptions
2) Navigate to Accounts to add your Production and Sandbox accounts.
3) Click on Licenses to add your enterprise users and enable them access to NetSuite accounts.
Accounts
This is the place where you add your Production and Sandbox accounts, once you add the accounts here, admins can assign these accounts to licensed users.
Add/Remove Licenses
This section provides subscription information such as plan name, activation status, renewal info and details of licenses. Licensed users are displayed in rows in this section.
To add a user, click Add User. To remove any user, press the ‘Delete’ button (Bin icon).Here admins need to add the NetSuite EmailId of the usersthey want to enable license.
Once the users are added, Click on (View) to assign account access to these users, as an admin you want to control which user gets access to which NetSuite accounts. You can assign Production and Sandbox accounts here. As per Enterprise license, each user can get access to 1 Production account and up to 9 Sandbox accounts.
Adding Admin Users
In this section, you can add additional users who can manage your enterprise licenses. Enter the email of the user you want to add and click ‘Add User’. The user is added to the list. To remove users, press the ‘Delete’ button (bin icon). Note that Super Admin Users, users on whose name the license is created cannot be deleted.
Note: This email Id has to be an office 365 ID or Microsoft ID

View ArticleWith Aug’2017 release, CloudExtend Excel for NetSuite Enterprise/Personal Editions now support update and creation of records with Custom Segments.
Follow the instructions below and reference this short video for detailed process:
The first step to updating NetSuite records with Custom Segments from CloudExtend is to include the corresponding fields in your Templates. Typically fields can be added into your template by using the SmartClient task pane template builder however, due to a NetSuite limitation the Custom Segment fields will not appear in the template builder and need to be added directly to your table following the process below
Manually edit the SmartClient table in the excel sheet, and insert a column that will contain the Custom Segment values.
The field names in Row 2 can be changed to anything user friendly. Be creative, there is no relation between this name and the NetSuite mapping.
Edit the cell in Row 1 of the new Column to associate it with the desired Custom Segment’s Field ID* as shown below. Get a head start by copying the value from another field in Row 1 and then edit it to map to the Custom Segment’s internalID.
Note: Please keep the structure of the field mapping formula intact and replace only the field names as indicated below. Any incorrect change in the formula structure will remove the mapping between NetSuite field and Excel Column and will break the upload/download actions.
To determine the proper format for the Field ID above first determine if your Custom Segment is at the header level or the line level (if you reference your custom segment as a custom column, ie one for every row of a transaction, it is line level).
If at the line level then use this format in Row 1
(=T(N("JournalEntry.lineList.line.custcol.yoursgmentname)
To indicate it is a custom column field you must add the text custcol after line and before your custom segment field name.
Example: if you custom segment name was democustomsegm then the correct format would be
=T(N("JournalEntry.lineList.line.custcol_cseg_democustomsegm"))
If at the header level then use this format in Row 1
=T(N("JournalEntry.custbody_yoursegmentname"))
To indicate it is a custom body field you must add the text custbody after the record name and before your custom segment field name.
Example: If you custom segment name was democustomsegm then the correct format wouldbe=T(N("JournalEntry.custbody_cseg_democustomsegm"))

* TIP - to locate the Field ID of a header level field in NetSuite navigate to the record you are working with in NetSuite (Sales Order, Journal Entry, etc.) and click on the field name. The Field ID will be displayed at the bottom right.
If you don’t see Field ID’s you must enable ‘Show internaID’s in your NetSuite account.

Trial users when they signup for the first time will be able to chose between Production and Sandbox accounts and will have access to all the subsidiaries during trial period.
Personal Edition Subscribers
NetSuite OneWorld account users on Personal edition subscription will find a restriction on the subsidiaries’ data they will be able to access in CloudExtend Excel for NetSuite .
On signup, Personal Edition subscribers with NetSuite OneWorld would be required to chose their preferred subsidiary and they will be able to access/update data only from that preferred subsidiary .
Enterprise Edition Subscribers
Subsidiary related restrictions are not applicable for Enterprise Edition subscribers

The first step is to create templates. Templates are records with a set of fields. Data is downloaded into templates, processed and saved for reuse. For example, an employee record with a set of fields such as name, date of joining, department, location etc. is what makes up a template. You can edit the template to add or remove fields. You can reuse templates to download the same data the next time, without having to recreate the same data set. Data in the templates can be kept in sync with the data in NetSuite.

Search Record types
While adding a new template,use the search option for quick record type selection. Select the Record and click Select Fields.
Next step is to select the Fields associated with the record. Once the field is selected, green tick mark appears. To remove the fields, click the red cross mark.
Enter a name for the template and Save.
Save and load. The template is loaded into the sheet where the mouse cursor is placed.
Note: Only one template can be loaded per sheet. When ever you load a template, CloudExtend will clear the content on the sheet and will then load the template.
From your list of templates page, the template can also be loaded using the ‘Play’ button. Pencil icon is to edit the template (to modify the field selections)
Once the template is loaded into the sheet, the blue outlines indicate the binding area separating the template from the rest of the worksheet. Apart from the selected fields, two additional fields/columns are created: one to track internal IDs and the other to track errors that may occur during the data operations.
Download Records
Data operations include: Download, Update, Delete, Refresh, Add rows.
To download records, click Download.
By default, records are downloaded in batches of fifty. You can also customize your update and download batch sizes, please see to learn more.
Filter Records
You can also apply filters to download specific data. You can add multiple rules. Select Apply Filter checkbox and download.
Update Records
After modifying the data, you upload data back to NetSuite source using the Update option.
Selected rows are updated. To update all rows in a single go, select the ‘All Rows’ checkbox before updating.
Error resolutions
Errors are color coded.
Refresh option
Refresh option removes the deleted records and clears the error colors. Refresh also keeps your Excel data in sync with NetSuite.

Select the record and click ‘Get Saved Searches’. List of saved searches from your NetSuite account are displayed.

Features
Templates are created in CloudExtend Excel For NetSuite to manage data operations. A template is a collection of fields from a record. A binding area separates the data from the Excel workspace. Templates are reusable. After creating a template, you can download the data, process the information, and update the information back into NetSuite. You can edit templates to add additional fields or remove existing fields. The template contains identifiers to include internal NetSuite IDs of the fields. An additional column is also created to identify, isolate and resolve errors. If data is deleted from the template, the same data is deleted from the NetSuite record. The data in the Excel Workbook and NetSuite are always kept in Sync. The deleted items are indicated by a strikethrough mark. NetSuite Saved Searches are also supported.
