  • How to Use Space Statuses

    LiquidSpace space statuses allow you to adjust the visibility of your listings on the LiquidSpace platform in three ways.

    Public - Spaces set to Public are fully visible in the LiquidSpace marketplace. People will be able to view your space in the LiquidSpace search and send you tour requests and messages about the space. Making your spaces Public is the best way to maximize your success on LiquidSpace because it gets more eyeballs to your listings.

    Private - Spaces set to "Private" are only visible to people with the space link. Use the private setting if you want to send a custom price or configuration to a customer. Private listings won't appear in the LiquidSpace search and you will not receive organic tour requests or messages for these listings.

    Hidden - Making a space Hidden is the easiest way to take down a space that is no longer available without losing its historic information within your account.

    How to Set Space Availability

    Setting Up Future Availability - Select the space on the Spaces tab and click to expand the availability section on the top left corner. Select "on a specific date" in the "When is the space available?" section. A calendar will appear and let you select the availability date. This functionality is best utilized to pre-merchandise your upcoming monthly availabilities.

    What's new?1) Updated multimedia gallery front and center. You can include still images, videos, map location and street view to help guests get the full picture of what your space has to offer.

    3) Messenger built in. We've built in the LiquidSpace messenger tool directly into your profile page. Guests can message you and your team directly to ask questions and get connected with your space.

    4) Monthly and Hourly space views. List all your available spaces by the hour, day or month. The most variety you have, the more guests will find your space.

    5) Map view. We'll showcase your venue location and nearby amenities. This section helps guests further determine if your space is in the right location for them.

    6) Ratings and Reviews. We'll make sure guests see all the great work you've done hosting so far.

    What do I need to know about messenger?We have put the messenger platform front and center on your profile page. Make sure you and your team are ready to receive and respond to messages. Review the details here.

    How do I add/update my host image?You can choose one venue administrator to serve as the host displayed on your venue and workspace profile pages. To update the host and host image, go to Venue Setup --> Team in your Venue Manager. Click edit to add the photo and choose the host from the dropdown below your team list.

    How do I update my multimedia gallery?In your Venue Manager, navigate to Venue Setup --> Photos to upload your venue gallery. Videos can be added under the Photos section of your individual workspaces.

    How many images should I add?Your venue gallery is the best way to show off your space. Add as many images as you have to fill out the gallery and take guests on a "tour" of your space from the exterior and throughout the shared spaces. We'd recommend no less than 5, but there's no such thing as too many.

    Do you have tips for taking good photos?You bet we do! Click here to learn more about how to take great photos of your spaces.

    What makes a good venue description?Include detailed information about your location (cross streets, public transportation info, parking), a description of your venue, nearby restaurants, and cafes. The most specific you can be, the better search engines can find your profile.

    What kind of spaces should I list?We recommend listing everything you have. Guests are searching every day for short and long term spaces on the LiquidSpace site. The more spaces you list, the more likely you are to be discovered by the right guests. List small offices and large offices by the month. List day offices, conference rooms, trainings rooms, and day passes by the hour/day.

  • Update! Were excited to announce some changes to your LiquidSpace Dashboard, the new design will help you manage and close more deals. Watch the video tour or read below.

    The LiquidSpace Dashboard is where Hosts can see how their venue is performing at a glance and respond to new or active deals. Make sure to add team members who should be notified of new deals and stay on top of your activity.

    Venue Score is a snapshot of how your venue is performing on LiquidSpace. It impacts how many people see your listings and how many leads you receive. Your score is important to people searching for space on LiquidSpace who value finding the most accurate inventory and receiving a quick response from Hosts. Your score measures three attributes (Freshness, Responsiveness, and Conversion) that will now impact how your monthly listings appear within search results. Learn how to improve your venue score.

    Learn how to engage with Prospects.

    Deals is your CRM to track people who have requested more information about your venue. You can close more deals by responding quickly to New Deals including tour requests and new messages. Once a deal is responded to it will be tracked in Active Deals where you can send messages and update the status of each deal. Onceyou'vequalified each deal you can Approve them to book on LiquidSpace or directly with you. Make sure to update the status of deals including reporting deals that become members directly with you as Closed Won, or you can update deals that didnt become members as Closed Lost.     Prospects are people who have started an active search in your market. These prospects have not yet qualified your space but have entered details about whatthey'relooking for. You can get more deals by reaching out to Prospects by sending a proposal through LiquidSpace with information on spaces you have available that fits their requirements.

  • What are proposals?

    Proposals give you access to prospects that are searching for monthly/long-term office space in your market but havent found the perfect space yet. You can reach out to send a message with one of your space listings directly through LiquidSpace.

    Why are proposals important?

    Get leads while they're hot. Most people will choose one of the first 3 offices they tour on LiquidSpace, so it's important for us to help them find the perfect space as quick as possible. We're leveraging our amazing network of hosts and sharing data on people looking for a monthly office or desks right now.

    How it works...

    You will receive a weekly email with new searches in your area.

    You can also see real-time search insights from your LiquidSpace Dashboard.

    Receive direct replies from people, who can ask questions or to schedule a tour.

    Create a Proposal in 3 Easy Steps

    Connect with hot leads by creating a Proposal and sending directly through LiquidSpace.

    Log into your Venue Manager

    If there's anyone looking for monthly/long-term space in the area, they will show up on the Dashboard. You can click on "View Details" in blue lettering, to see if you think you would have a space that would meet the members needs.

    If you think you'd have a space that would work for them, you can click on "Create Proposal". If not, you can select, "Not Interested."

    If you've clicked Create Proposal, you'll have a few options. You can send one of the monthly spaces you already have listed. Or you can Add a New Space Listing that you don't have listed yet on LiquidSpace.

    If you send them the space you already have listed, click on it and you can send the guest a message about your space to entice them and if they're interested, they'll schedule a tour or inquire.

    If you're wanting to send the member a space that is not listed yet, you can select the, "Add a New Space Listing" section. You'll then fill out the details for that workspace and once you've completed it, you can click on the blue "Add a New Listing" button to send to that member.

    What information can I include? You should include a personal message with additional information about the spaces and other included amenities. You may even link to your other space listings on LiquidSpace.com to provide multiple options, but please do not add links to other websites. What should I NOT include? You should not add a link to any other website except LiquidSpace.com or include a direct email address or phone number. When you send a proposal, the member will be able to respond directly to you or schedule a tour through LiquidSpace.Hosts who abuse the proposals feature can have their credits removed and will no longer be allowed to send proposals. Note: Each venue is limited to 10 proposals a week. We share as much information as we can (click "see details" to view all the information about a lead) about the searchers need and activity level so you can choose the leads that are going to be the best fit for your venue. This also helps prevent customers from getting overwhelmed with proposals and improve your likelihoodof getting a response.

    It's easy to integrate your LiquidSpace calendar with your Google calendar.You can set up everything in Google in just a few minutes using these three easy steps.

    Please have your Google Apps administrator update the Calendar settings to "Share all information, and outsiders can change calendars" before you share your calendar.

    Adding Exceptions

    Guest HoursChoose the hours you and your team are available to host LiquidSpace guests. This should be the hours that your front desk staff (or a designated venue host) will be on site to provide tours and greet guests.

    HolidaysCheck the standard bank holidays that your venue should be closed to the public from the list provided. If you are outside the US, local holidays will be displayed.

    What's included in a Snappr photo shoot?

    With most Real Estate shoots you will receive 20-40 images from a 1-hour booking.

    Do I have to be in a certain location to get a Snappr photographer?

    The Snappr network covers 92% of the US population, across all major cities in all 50 states.

    Who will get copies?

    You own the photos and receive them directly. Snappr will upload the images to your Snappr portal. You will need to upload the images to your LiquidSpace profile.

    How long with the shoot take?

    Shoots can be scheduled for 1+ hours. You will select the shoot length depending on the size of your space. We recommend 1-2 hours for small to medium spaces. But let your photographer know what you are looking for after you book and they can advise.

    Can there be people in my space during the photo shoot?

    Yes, however we recommend that you do not have people in the photos. People can better imagine the space as their own if there is no one in photos.

  • The DASH (Direct Agreement for Space Hosting) License is the trusted legal agreement used for all LiquidSpace bookings. You can learn more about DASHif you click here. We do know, however, that each host offers a unique space that may have special terms or that a specific guest may be granted unique terms. LiquidSpace allows a host to add their own House Rules as an additionto the DASH.

    While House Rules should not override the DASH terms around Booking, Payment, Cancellation, and Default, you can use House Rules to explain information about workspace use/access, conduct and behavior, venue-specific rules/policies, building-specific rules, or special considerations.

    House Rules may be set up at two levels:

    Venue Level -These would be rules that apply to all of your monthly listings and may contain rules regarding:

    Workspace Use and Access. May include hours of access, information on keys/fobs, or appropriate use of space.

    Conduct or Behavior

    Venue Specific Rules and Polices. May include information about use of kitchen/public areas, mail services or delivery, pet policy, or insurance coverage requirements.

    Building or Landlord-Specific Rules and Polices.May include information about parking or use of common building areas.

    Workspace Level -These rules apply only to the guest booking an individual workspace. May be pre-set rules or may be agreed upon and added after negotiations with a guest. They may contain rules regarding:

    Special Pricing Considerations or Discounts. May include discounts or temporary decreases in price (LiquidSpace must be notified).

    Space-Specific Rules. May include information about amenities included in the space, capacity, or access.

    Guest-Specific Rules or Policies.May include information about hours of access, extra keys/access, capacity, or personal items (i.e. bring your own refrigerator).

    A custom DASH license is created and available for each guest and will include an additional section with all House Rules agreed to at the time the space was booked.

  • LiquidSpace wants to make sure the most accurate, engaged and quality inventory is surfaced on top of our marketplace. Thats why were introducing your Venue Score, three attributes (Freshness, Responsiveness, and Conversion) that will now impact how your monthly listings appear within search results.

    #1: Freshness

    People want to know that the listings on LiquidSpace are accurate and available - not a bait and switch.

    How it works - Confirm your listings at least every 30 days. There are two ways to confirm:

    In your profile - click on your spaces tab and review your space information. Once all listings are up to date, click the Confirm button.

    By email - You will receive an email every 30 days with all your public and private listings.

    *Tip: Listings that are not confirmed will appear lower in search results and will eventually be delisted after 180 days of no activity. You can always reactivate a listing that has become inactive, but youll be rewarded by keeping your listings fresh by confirming each month.

    #2: Responsiveness

    People expect a quick response from Hosts, whether they have a question or are ready to schedule a tour.

    How it works - Respond to all messages within 24 hours. You can respond to messages in two places:

    *Tip: Make sure you have your team members and notifications setup to respond to all messages within two hours and youll be a rockstar!

    #3: Conversion

    People like social proof and when others have booked a space at your venue it helps others see themselves there too.

    How it works - Your conversion score is the percent of dealsyou'veclosed from LiquidSpace. Make sure to report the status of active deals on your LiquidSpace Dashboard. Deals that close at your venue can be reported in two ways.

    Approve to book online. Close deals and collect payment through LiquidSpace by approving prospects to book online. You can approve the deal on your dashboard by clicking Approve to Book. The prospect will receive an email notifying them that they can complete the booking online for the terms specified in your space listing.

    Close deals offline. If you closed a deal directly that you received from LiquidSpace you must report the deal terms to our sales team. Click on the three dots next to the deal and select Closed Deal Offline and enter the terms of the deal to notify our sales team.

    Archive deals that are lost. If a dealisn'tgoing to close then you can archive the deal by clicking Archive from the menu under the three dots next to each deal.

    *Tip: Venues that have an above average conversion of their monthly leads will rank higher in search results. If you havent had many leads yet no worries, that will not negatively impact your listings.

    We have updated how you list your monthly desks on LiquidSpace to make it easier for you to manage the total quantity of desks you have available, and set the price for each desk. Now guests looking for one or more desks can view the price per desk and send you a request to book the specific quantity of desks they are interested in. As always, you review and approve the requests that are the best match for your space.

    IF you had already set up multiple listings in the past for groups of desks, our team has reviewed and consolidated your desks into a single listing for the total quantity of desks you have available, and updated your price per desk. Please sign-in to LiquidSpace and click Spaces in venue manager to review and update the total quantity of desks available and confirm the price per desk is correct. Finally, make sure your listing is set to Available so people can find and request your desks.

    How it works to list and book your desks.

    List the type and quantity of desks available.

    Create (or edit your existing listing) to set the total quantity of desks available, you can always increase or decrease your quantity available. If you have different desk options at different prices, you can setup a listing for each. Choose Dedicated Desk if the desk is assigned full-time to that person or team, or Open Desk for access to shared desks like in coworking spaces.

    Set the monthly price per desk.

    Set the monthly price per desk to allow gueststo choose and pay for the specific quantity of desksthey'reinterested in.

    Approve to complete booking online.

    Receive tour requests from guestsinterested in your desks. They can specify the exact quantity of desksthey'reinterested in booking. Meet people and choose to approve those who are a good fit. When they complete their booking online, well calculate the total cost of the number of desks selected.

  • Wondering how to close more deals? When people search for office space on LiquidSpace, they will typically book one of the first 3-5 spaces they tour. Use this guide to quickly confirm tours and provide a great experience to close more deals.

    1. Confirm the tour - Whether the tour is in 20 minutes or 2 days,make sure to confirm the tour immediately. With LiquidSpace, you can confirm the tour directly from your Messenger Dashboard or by email; or propose a new date and time if it doesnt work for you. Use messenger to assure them you're looking forward to it and provide them any additional details about arrival. This gives the prospect peace of mind and gives you an opportunity to confirm that they have the right address.

    2. Greet Client - First impressions set the tone and pace for the tour of your space. So a warm hello and friendly smile goes a long way for a prospect who is looking to conduct business in your space.

    3. Before you show the space - Find a quiet place to have a short conversation with your prospect. The following questions help to determine if this will be a great potential fit.

    How many people would you need to accommodate?

    When do you need to move in?

    Will anyone else need to see the space?

    Would you need access to a conference room?

    Asking these questions helps the potential tenant keep their needs and wants front of mind. With the answers to these questions, you should be able to highlight their needs and wants during the tour.

    4. Show the space - Encourage the prospect to take pictures. {i.e Okay, let me show you the office you inquired about on LiquidSpace. Please feel free to take pictures with your phone."}

    Allow the client to see the kitchen area, copy area, conference/meeting rooms, and the restrooms. You want them to envision themselves in working in the space every day. When you show these spaces along with the office you are looking to rent, the likelihood of them renting your space increases.If there are no common areas, show the office space and introduce potential officemates along the way. Also, highlight any nearby coffee shops and/or chic restaurants in the area.At the end of the tour, be sure to give them an opportunity to ask any questions. Let them know youll follow up with aLiquidSpace message with next steps. Also, let them know that you welcome any and all feedback. Allowing open dialog will keep the prospect more open to your space.5. Approve to Book-If the guest was a good fit for your space, let them know by approving their booking request in LiquidSpace Messenger. The guest will be notified and will be able to book directly on LiquidSpace. You can also send a message to thank them and encourage them to move forward with your space.

  • LiquidSpace makes it easy to schedule, confirm, and track your tours for prospective monthly guests. Tour confirmation and rescheduling is done through LiquidSpace Messenger.

    First, the guest will find the space that they like. Once they find it, theyll click on the Schedule a Tour button.

    Second, theyll choose a date and time that works for them along with a message and their information.

    Venues will then get notified and they can see the message on their listing as shown below:

    Guests can choose a date and time for their tour directly from your venue profile page. You'll be notified of the date and time so you can review and confirm.

    Note: Guests can choose from half-hour time slots throughout your listed hours of operation.

    ClickConfirm Tour to verify the time and notify the guest that you'll be there to show them the requested space at this time. Feel free to send a message with more details about access or any questions you may have before the tour.

    If the requested time doesn't work for you, simply click Reschedule Tour and choose a date/time that will work for you to send to the guest.

    You can also click Cancel Tour should you need to cancel it. Or if you want more details from the guest orthey'reasking a general question, you can click Reply and then reply back to the member and click send to send the response.

    We'll send a reminder email the day before the tour outlining any tours and reservations for the next day.

    After the tour is complete, we'll ask the guest for feedback so they can let you know if yours is the space they want to book. If so, you can review your pricing/house rules, approve them to book and get them booked!

  • Whether booking space for an hour or 6 months (or more), LiquidSpace is dedicated to providing fair and flexible booking terms. Below is an outline of the cancellation terms provided in our DASH (Direct Agreement for Space Hosting) license for Hourly or Monthly bookings.

    Hourly BookingsHourly reservations are charged 24 hours before the reservation start time.

    Reservations cancelled up to 24 hours before the scheduled start time will not be charged. Reservations cancelled with less than 24 hours notice will be charged the full cost of the reservation and are not eligible for a refund.

    If a reservation is booked with less than 24 hours notice, a guest will have 1 hour from the time they booked to cancel and not be charged for the reservation.

    Monthly BookingsMonthly reservations are charged at the time of booking for the first full month or any prorated dates, and a security deposit (if required).

    Flexible Cancellation Terms

    Reservations cancelled within 24 hours of booking or 30 days before the scheduled move-in date will receive a full refund of the initial payment.

    Reservations cancelled before the move-in date, but after 24 hours and less than 30 days before the move-in date will receive a 50% refund of the initial payment.

    Reservations cancelled after the move-in date will receive no refund for the initial payment and will owe for the next full calendar month. If the reservation is for a term longer than month-to-month, guest will also owe 50% of any remaining unpaid fees for the term.

    We want your LiquidSpace guests to be able to brag about your venue's space, service, and amenities. Ratings and reviews allow a guest to rate your space on a 5-star scale after their reservation is completed.

    Important Rating Policies

    Rating Notifications

    An email will be sent to all administrators of your venue for each rating that you receive. The emails will include who rated the space (guest may choose to remain anonymous), the workspace being rated, the rating, and any comments. You can see an example here.

    Responding to Ratings

    You are notified of all ratings for your space to ensure that you can not only address any concerns raised by members, but also to make you and your team aware of great experiences. We encourage you to think about how you want to handle ratings and reviews that are posted for your space. You may wish to thank guests for positive ratings and encourage rebooking. Please feel free to reach out to [email protected] to request coupons for your guests or to have us reach out to them to offer discounts or collect for more information on a rating.

    Please note that it is LiquidSpaces policy to always reach out to a guest rating 2 or 1 stars to address any concerns. If you would like to include a personal message with this outreach, please contact when you receive the rating.

    If a LiquidSpace guest shares their rating with their full name included, you do have the right to contact that member directly with the contact information provided on their reservation. However we do recommend that, where possible, you reach out to LiquidSpace so we can help facilitate these conversations and ensure a neutral party is involved. If a guest rates anonymously, please reach out to LiquidSpace before contacting the member directly.

    Internal Members

    You are encouraged to have your internal members rate their experiences at your venue. LiquidSpace will not solicit ratings from your internal members and will only contact internal members rating at your space if there is a concern about rating content.

    Ratings Dispute/Remove Policy

    LiquidSpace Guests are entitled to post their opinions regarding their experience with your space. However, if you are concerned that it should be removed, you may request that LiquidSpace review a rating. While it is not guaranteed that all ratings for which you request a review will be removed, we will take each inquiry seriously. Please outline the reason you request that the rating/comments be removed and send to [email protected].

    Ratings or comments may be removed if they include:

    Vulgar or offensive language

    Personal information or descriptions of your staff or other guests/members

    Personal attacks toward any members of your staff or venue

    Ratings for workspace that wasn't used by the guest

    While we currently only support payment processing and real-time transactions in the United States, Canada, and Australia, you can still list your monthly workspace to receive inquiries, as well as list your meeting rooms, offices, and desks for instant book by the hour or day.

    Before getting started, we recommend you carefully review our Terms of Use, Host Terms, and the following important details regarding our expansion.

    Real-Time Availability

    LiquidSpace is the largest real-time network for office space. By publishing space listings on LiquidSpace, you agree to update the status of each listing to offer accurate real-time availability to people searching for space.

    Hourly Bookings

    Accept instant bookings for your meeting rooms, offices and desks by the hour or day. You can manage availability from your LiquidSpace calendar or integrate with your existing calendar. When available, guests can instantly book your space through LiquidSpace. LiquidSpace charges a tiered fee of 50% for a guests 1st booking, 25% for a guests 2nd booking, and 10% for all other bookings per our Host Terms.

    Monthly Bookings

    Receive inquiries for your monthly offices and desks through LiquidSpace Messenger. When you find the right match, you can close deals directly with Guests, and mark those deals as closed offline in your LiquidSpace Dashboard. LiquidSpace will invoice you via email for 10% of the monthly bookings per our Host Terms.

    Payment

    LiquidSpace does not currently accept payment on behalf of venues outside of the US, Australia, and Canada. You are responsible for accepting payment directly from the Guest on-site and LiquidSpace will invoice you via email at the end of the month per our Host Terms.

  • We know that often you provide more for a guest than simply a space to work. With LiquidSpace you can easily add incidental charges to your guest's monthly bookings. Not only does this make it easy for the guest to pay for their space with one charge each month and see all cost details in one place, incidental charges make it easy for you to eliminate the hassle of trying to collect for additional charges a guest may incur.

    Incidentals are added to the current month and charged with the next monthly charge for the guest (for example: incidentals incurred during July would be collected August 1 and paid to you with your August payment).

    Incidentals can be added to your monthly guest's reservations via the Reservations section of your venue manager. Click "Add incidentals" for the particular reservation you wish to edit. We're happy to help

    This will bring up the incidentals detail screen where you can add in specific uses and dollar amounts to be added to the booking.

    Click Submit to save your charges.

    You can add to or edit the incidental amount until the last day of the current month.

    Note:Guests will be notified of the incidental charges.

  • Howmuch will I be paid?

    Remember, there's no cost to list your space on LiquidSpace. You'll be paid any time a LiquidSpace guest books and uses your space.

    Monthly: All long term bookings are billed monthly and carry a 10% LiquidSpace fee.

    Hourly/Daily:In the LiquidSpace pricing structure, each time an individual guest rebooks at your short term spaces, our fees decrease.

    Payment profile

    If you use our marketing tools to bring in hourly/daily guests, the LiquidSpace fee will be 10% starting with their first reservation!

    At the beginningeach calendar month, venue statements become available for the previous month and outline the total amount due.

    When will I be paid?

    All payments will be sent on the 15th of the month. It may take additional days for payment to reach your location via mail or account via ACH and PayPal.

    Monthly:Payments that are received by the 5th will be sent the same month they are received. Ex: A guest renews for June (on or before the 5th of the month), your payment will be sent to you on June 15th.

    Hourly/Daily: Payments are sent for the previous month. Ex: All May reservations will be paid out with your June 15th payment.

    Note: Payments will be sent on the business day following, should the 15th land on a US holiday.

    How will I be paid?

    LiquidSpace provides flexible payment options. Please be sure to enter the correct Payee Name and Tax ID for your business, regardless of which of the following options you choose.

    CheckIf no other payment option is selected, you'll be paid via check sent on the 15th of each month. Checks are made out to the Payee designated in your Payment profile information and will be sent to the address you list below it. Note: Our system defaults to "Same address as venue" so you'll need to un-check that option in order to enter a different address, if appropriate. Click "Save" at top right when finished.

    ACHPayments will be deposited directly into your bank account on the 15th of the month. To get setup, visit your Payment profile and click the ACH radio button, then enter your banking information in the fields provided. Please note: Leading zeros, for example '0001234' are important! Please enter your routing and account numbers carefully. Click "Save" at top right when finished.

    PayPalPayments will be deposited directly into your PayPal account on the 15th of the month. To configure payments via Paypal, add the email address associated with your PayPal account into yourby choosing the Paypal radio button and entering your address in the field shown.Click "Save" at top right when finished.

    The best way to prepare for hosting guests is to ensure that you are receiving the proper notifications. Add your team members in the Venue Setup--> Team section of your Venue Manager and setup notifications that match up with each team member's role and responsibilities.

    Once this step is finished, your venue setup will be complete and you're ready to move on to adding spaces or submitting to us for review, if you've already setup your spaces.

    Enter in their contact info and then set up their role and notification preferences.

    RolesWhen adding a new administrator to your account, you're required to assign them an appropriate role (editing rights) for your space. The person who created the venue profile will be defaulted as the Venue Owner.

    Venue Host

    Venue hosts have access to edit your venue profile, workspaces, pricing details, calendar, and hours of operation.Venue administrators can also add additional administrators.

    Calendar Admin

    Calendar administrators have access to view and edit your venue calendar and hours tab. They cannot edit your venue profile details.

    Notification Option Definitions

    All Hourly Reservations / Only Guest Hourly Reservations

    For team members who should receive all hourly reservation related notifications, just those for LiquidSpace credit card billed guests.If you are not using LiquidSpace as your primary calendar for both LiquidSpace guests and your internal or direct bookings, you can leave at the default All Hourly Reservations setting.

    Hourly notifications include email notifications for: new reservation confirmation emails, reservation change and cancellation emails and the daily agenda..

    Note:At least one administrator must be set up to receive guest (credit card billed) notifications.

    Messenger Activity

    For team members who should receive notifications for new messages in your LiquidSpace messenger.

    Messengeractivity includes notifications for: Requests to Tour/Book Monthly spaces, messages from messenger, monthly booking confirmation, and monthly booking change or cancellation emails.

    Incidentals Activity

    Aptly named, for team members who should receive notifications about incidentals.

    Tour Request Emails

    For team members who will be handling tour requests from potential guests.

    Notification Methods

    We're able to send email, SMS, or a combination of the two for reservation and messenger notifications. Incidentals Activity notifications can be sent via email, tour requests are email only. Also, when a guest leaves a rating after using your space, email notifications will be sent to all team members.Choose the notification methods that suit you and your team members the best.

    Note: You'll need to enter each team member's telephone number in order to add SMS notifications.

    Venue HostIn order to personalize your venue, we encourage that you designate a venue host. A venue host name and image fosters a sense of trust with guests and increases their comfort booking your space. Choose your hostfrom the dropdown. It is best that you choose the team member who is most likely to greet guests. Ensure that the account has a photo uploaded as well.

    What you'll want to do right away:

    Add your photo by hovering over your name on the top left of My LiquidSpace.

    Adding your profile photo ensures that your venue host will know what you look likeand be better prepared to greet you upon your arrival at their space.

    Confirm that your contact information is accurate.

    Use the pencil icon to edit thePersonal Information section of your settings panel. Make sure your name and company (if applicable) are accurate. Also make sure your phone number and email address are the best ways to contact you. The LiquidSpace team or yourvenue host will reach out using this contact info if there are any questions or issues regarding a reservation.

    Add your payment information.

    Click the+icon to add your credit card information. This will make booking an easy 2-click process when you go to book space.And, don't worry, your information is safe. No one, not even LiquidSpace, has access to your credit card information.

  • We understand - plans change! You can update or cancel anhourly reservation in just a few clicks right up until 24 hours prior to your reservation. Alternatively, you can give your 1 month notice to vacate a recurring monthly reservation. Both options are located in the Reservations section of your LiquidSpace account.

  • The DASH Licenseis the uniform license that governs your relationship with every guest that transacts your space through LiquidSpace.The DASHLicense provides your customers with a robust, fair terms, written in language that they can understand, that also protect your business.

    Why DASH is different (better!)

    It's short and simple. It's written simply and it's balanced - to protect you as the host and your guests.

    It's a license, not a lease. As a host, you retain ownership of the space, but your guests know they have committed space as long as they follow the license terms and house rules.

    Agreement is between host and guest. LiquidSpace is not a party except as a Marketplace Service (payments).

    It's proven. As the standard legal agreement for all LiquidSpace bookings you can be confident that the DASH license can be trusted.

    Guests are more comfortable booking your space. The DASH license offers consistent terms across all venues in the network - no matter where or when guest's book.

    What do I need to know

    Under the DASH license, guest will book through the LiquidSpace platform and LiquidSpace will:

    If you require one, collect and hold a deposit in the amount of 1 month or 2 month's rent for any of your guests.

    Collect monthly rent and pay out to you monthly.

    Allow flexible cancellation terms. Guest can move out with 30 days notice and you can end a guest's license with 60 days notice for month-to-month agreements.

    What's covered in the DASH

    DASH covers the important legal stuff: Cancellation Policy, Payment Policy, Deposit, Default, Liability/Indemnification. A friendly breakdown is shown below (please review full DASH license here, this outline does not include all terms).

    Compliance, Possession & DeliveryBottom Line: The DASH, including House Rules, apply to your guest and anyone they let into the space. They accept the space as-is.

    Workspace UseBottom Line: Guests can use the space only as an office. Guests cannot be disruptive to other tenants. Guests cannot alter or improve the space or store hazardous materials. The Host can move guest to a similar or larger space and at no extra cost with 30 days notice. The Host can come into the guests space.

    Good CareBottom Line: The guest must take good care of the space, the area and whatever the Host chooses to share with them, and the Building. Space and anything else used must be returned in good condition. If something breaks or gets damaged, Host should be notified know right away. Guest is responsible for paying for any replacement or repairs.

    Keys, Name & AddressBottom Line: Any keys or entry cards provided by the Host belong to the Host,can'tbe copied and must be returned. Guest cannot put any additional locks on doors or windows. Guest cannot put up any signs on the door or the space or the building.

    Conduct, Confidentiality, & Non-solicitationBottom Line: No discrimination, no harassment, anything a guest sees should be considered confidential. Guests may not recruit each others employees.

    Damages & InsuranceBottom Line: Guest must have damage insurance for their personal property and liability insurance for their employees and any other insurance described in the House Rules. All property in guests space is under guests control. Guest can not go after the host for any lost property; damages; liabilities. Host may request a Certificate of Insurance sent to the venue prior to move in.

    Payment & RenewalBottom Line: The first month and deposit (if required) are collected on agreement. Reservation and payment are processed through LiquidSpace. Payment for each following month is due on the first of the month. Monthly licenses automatically renew unless the Guest provides 30 days notice or the Host provides 60 days notice.

    CancellationBottom Line: Full refund is available for cancellation within 24 hours of booking or until 30 days before term starts. If cancelled less than 30 days before start date, a 50% refund of first month is available until the term starts.

    DepositBottom Line: The deposit (if required) is held by LiquidSpace in the amount of one or two months charge until the client moves out. Host must notify LiquidSpace of any claims against deposit within 10 days.

    DefaultBottom Line: If guest doesnt pay or fails to comply with terms or house rules then the Host, upon notice, may terminate the license and take possession.

    Indemnity, Disclaimer, LiabilityBottom Line: Guests indemnify the host against claims, the host is providing the space as-is without any warranty, the host is not liable.

    License Agreement & SubordinationBottom Line: DASH creates a revocable license. The Host retains possession and control of the space. The license is subject to the terms of the Hosts lease and license terminates when the Hosts lease terminates. The terms are subordinate to the Hosts lease.

    What's not covered in the DASH

    We know that each host offers a unique space that may have special terms or that a specific guest may be granted unique terms. LiquidSpace allows a host to add their own House Rules that can be included in the DASH. House rules may contain information about workspace use/access, conduct and behavior, venue-specific rules/policies, building-specific rules, or special considerations.

    When a tour request is submitted, you'll receive an email and message notifying you of the request and giving you more details about the guest.

    There are three steps to getting your guest booked and settled in your space.

    Step 1:Provide a Tour

    To make sure the tour goes smoothly, be sure to prepare the following:

    Confirm date and time - Make sure the guest has instructions for accessing the space and someone is available to greet them for their scheduled tour.

    Show the guest around -Show them the spacethey'reinterested in and any applicable amenities and shared spaces (break room/kitchen, conference rooms, printer, phone booths, mailbox, etc.)

    Ask your questions - Think of questions for the potential guest in advance to make surethey'rea good fit for your space (e.g. What is your work style? Are you on the phone a lot? Do you need storage space?)

    Make the deal - if the guest would like to reserve a different space than advertised or if you make a special pricing agreement with them, make the changes in LiquidSpace so they are able to reserve through their initial request from LiquidSpace. You should also add any additional house rules at this point before approving them to book.

    Step 2:Approve Booking Requests

    After you decide if this guest is a fit for your space, return to Messenger to approve the guest to book your space. Under Step 3, click Approve.

    Once you approve the guest to book your space, we'll prompt them to complete their booking. LiquidSpace will collect payment for the first month plus a deposit (if required).

    If your space is not a good fit for the guest, you can decline access by clicking the More button next to the Reply button in Messenger and select Decline Booking. Our team will work with the guest that could not be accommodated to find a suitable alternative.

    Step 3: Onboard a new LiquidSpace guest

    Once your LiquidSpace guest has booked their monthly space, make sure you are prepared to help them get settled:

    Send a welcome packet- 1-2 weeks before the scheduled move-in date make sure the guest has instructions for parking, accessing the space, information about keys/access cards, wifi information, details on accessing conference rooms or other shared spaces. See attached for an example welcome kit.

    Review the LiquidSpace Terms-LiquidSpace monthly guests do not need a separate contract signed to use your space. Everything is covered in the LiquidSpace Terms of Use (DASH License) and your House Rules (if provided). If you have any questions about these terms, please reach out.

    Greet your guest-On their move-in date, make sure that you or your team are on-site to help them get settled in their new space and answer any move-in questions they may have.

    How you'll get paid -LiquidSpace will collect payment monthly for the guest's fees and will via your selected payment method (check, direct deposit, or PayPal).

    The final section of your space setupis the amenities section. Start by clicking on an amenity to add it to your venue orspace. Note that the first section applies to all spaces at your venue. The lower options pertain to this space specifically.

    Once selected, you can add additional details about an amenity on the amenity list.

    Details include:

    AvailabilityChoose whether this amenity is always included with the reservation for free or if it is only available upon request.

    Is there a feeRequestable amenities can be included for free or can require a fee. Choose Yes or No. LiquidSpace only collects payment for the space itself, so you will need to collect any additional fees directly from the guest on the day of arrival.

    DetailsEnter a description for the amenity including fee details. This description will be displayed on your venue detail pages (as seen below). Guests will use this information to ensure that a space has everything they need.

    Now thatyou'vecompleted setting up your space, you can click Preview to see what the profile page looks like for this space. You can also Save or Make it live!

    Next, you'll need to add pricing for your space. Depending on the reservation method you have selected, you'll be prompted to enter method-appropriate pricing information. Prices will be displayed with sales tax, if set up, on your listing.

    Monthly

    Click here to learn about term pricing.

    For monthly spaces, enter in the amount you want to charge per month for the use of this space. Price should be inclusive of standard amenities.

    Minimum Terms: You can use terms to offer an incentive price for longer, committed term bookings or to prevent a book for less than a specified term.

    Deposit: Select the deposit amount you would like to collect when a guest books your space. You can select a deposit equal to 1 month's rent, 2 months' rent, or no deposit. By default, the deposit amount will be set to 1 month.

    Note: If you choose not to collect a deposit for a space, you assume responsibility for collecting payment from the guest on any failure to pay rent or damage done to that space.

    To add a setup fee, input the amount you would like to collect from the guest upon booking your space. LiquidSpace will collect the specified amount when the guest books your space, in addition to their first month's rent and your specified deposit amount.

    To add term pricing, check the box next to the duration you wish to offer pricing. You can select all or none. Once selected, either enter the percent discount you wish to offer for that term or key in the price you wish to charge per month for that duration.

    To disable month-to-month bookings, you can choose a new minimum term from the drop down. You can choose 3, 6, 12, or 36 month minimums.This will mean a guest could not book the space for less than the minimum required term.

    Hourly:

    For hourly spaces, you can set an hourly, half-day, or full-day rate for the space. It is recommended that you provide a price for at least hourly and full-day. Consider discounted half-day or full-day rates to incentivize longer bookings.

    Note: LiquidSpace bookings can be a short as 15 minutes and as long as your hours of operation on a given day. If a guest books less than 1 hour, they will be charged for a full hour. You can not require bookings be a certain length.

    Day Pass Only

    For coworking or open desk spaces, enter in the price for a single day for this space.

    Note: If you wish to offer any of your spaces free of charge, you can check the box next to Idon'twant to charge for this space. Make it FREE.

    Setting up your available spaces is done in just a few steps. When guests are browsing space, the first thing they'll see are the best spaces to suit their needs. Make sure you've completed your setup for each space with full details, quality images, and accurate amenities. Aim to make guests feel confident that your space is right for them.

    To add a new space, click Add Space from the Spaces section of your Venue Manager or click on a space name to edit the settings for that space. In this article, well talk about how to setup the first section of your space edit screen is titled: Space Info.

    Name of the space you are listingIn the first field of the space, youll be asked what you would like to name this space. Enter a unique name for this space at your venue. Your workspace name will likely bea basic description like "Team Office 616."

    Type of space and capacityChoose if this space will be available Monthly, Hourly, or Day Pass Only.

    Monthly:

    If you are listing an open desk, dedicated desk, private or team office for month-to-month terms, monthly will be right for your space.

    Hourly:

    If you are listing a day office or conference room for hourly/daily use, hourly pricing is the rightfor your space. Hourly should be used for all non-coworking spaces for which a guest will be booking an entire workspace.

    Day Pass Only:

    If you a listing your coworking space for day use by LiquidSpace guests, youll want Day Pass pricing. Day passes are for open workspace areas where more than one seat is available. A guest may book one seat in the open area for the day for a single, daily price.

    Choose from the drop down the correct type of space that you are listing.

    For Monthly spaces you can choose from:

    Open Desk:

    An unassigned desk in an open, shared space. Personal items should be taken home at the end of each day. The guest choose an open desk upon arrival.

    Dedicated Desk:

    An assigned desk or collection of desks that can only be occupied by the guest(s). Desks are often located in a open, shared space. The guest(s) can rely on the same desk(s) during the duration of the contract.

    Private Office:

    A furnished, fully enclosed and lockable space ideal for individual work. Storing personal belongings are allowed.

    Team Office:

    A fully enclosed, lockable space that is built for a team of two or more and contains multiple workstations. Storing personal belongings is allowed.

    Office Suite:

    A fully enclosed, lockable space that is built for a team of people and contains multiple spaces - usually a combination of private offices, team offices, and meeting spaces.

    For Hourly spaces you can choose from:

    Desk spaces:

    Coworking:

    Space in open area of a coworking venue with a busy, community atmosphere.

    Open Desk:

    A desk in a shared workspace, guest may choose desk upon arrival.

    Hotel Lobby:

    A reservable individual workspace or meeting area within a hotel lobby.

    Office spaces:

    Private Office:

    Space has four walls and a door, ideal for an individual worker or interview.

    Team Office:

    Space has four walls and a door, ideal for team working (more than one desk).

    Meeting spaces:

    Private Meeting Room:

    Space has four walls and a door for private meetings. Privacy glass is okay.

    Semi-private meeting space:

    Space has 3-4 walls and generally removed from heavy traffic or noise.Rooms with clear glass interior walls or where others will be heard or walk by regularly should be classified as semi-private.

    Training Room:

    Space has four walls and a door, ideal for training.

    Event Space:

    Space that is idea for large events.

    How many people is this space for?What is the maximum capacity for this space?

    Space DescriptionDescribe your space. A good description is usually about 100 words and has 1-2 sentences defining the room shape, seating, windows, and capacity. Additionally, describe the benefits and amenities of this space. A good description example would be:

    This beautiful meeting room fits up to 5 people and is surrounded by large windows that provide lots of natural light and view of the city. Ergonomic chairs are set all around a circular table and a large flat-screen is ready for us. Its a quiet space to think and get work done or have privacy for a meeting.

    To add spaces to a collection, simply search for the spaces you are interested in and click the "heart" icon on the top right of the space. My LiquidSpace From here you can choose which collection(s) to add your space to by clicking the heart next to the desired collection.   • Venue Billing Statements become available on the 1st of each month and detail all credit card billed reservations for the reporting period. The summary view outlines the number of reservations, the sales price billed to the guest, additional incidental charges, and the amount due to be paid (on the 15th).

    View Billing Statements To access your venue statements, click on the Reports tab from your Venue Manager. You can view or download detail by clicking on View Statements for the month you wish to view. Venues with payment due will also receive an email on the 15th of each month confirming payment has been sent with a link to your Billing Statement.

    Reporting Period

    Monthly Reservations include all new and renewing monthly reservations for the current month, as well as new partial-month reservations created the prior month. This will include all reservations from the 2nd of the previous month through the 1st of the current month. Ex: For your August 15th your summary will include reservations paid on July 2nd - August 1st.

    Hourly Reservations include all hourly reservations completed for the prior calendar month from the 1st to end of month. Ex: for August 15th your summary will include reservations completed on July 1-31st.

  • Wondering how payment works when you book through LiquidSpace?

    Hourly/Daily Bookings:

    Provide your credit card information when you book your space. Your card will not be charged until 24 hours before your reservation start time. Credit card payment method is required for hourly/daily reservations. Apple Pay is available when booking through the LiquidSpace app.

    24 hours before your reservation start time, your card will be charged for the full reservation amount.

    Cancel up to 24 hours before your reservation without penalty. See our cancellation policy for more details.

    Bookings for a Month or Longer:

    Provide your credit card or banking information when you book your space.

    If paying with by direct deposit from your bank account, you will set up your payment profileby connecting your bank login with LiquidSpace. You'll need to make sure you have the login information handy when you book (or set up your payment profile before you book ).

    Youwill be billed for your first month (or partial month) and a 1-month deposit at the time of booking. You'll be billed on the 1st of the month for all subsequent months.

  • If your venue is using a Microsoft Exchange server to manage your workspace calendars via Outlook, you can sync them with your LiquidSpace calendars to make sure that your calendars are up-to-date with all reservations.

    To add an Exchange integration, you'll need to have your Exchange administrator follow these three steps:

    1) Ensure that Exchange Web Services is enabled. 2) Create an account for LiquidSpace within your windows domain and make that user a delegate for each Exchange mailbox used for your workspaces. 3) Email the Exchange username, password, Exchange Web Services URL, and the email address for each room to be integrated to [email protected]
