NovoEd and the General Data Protection Regulation (GDPR)
The EU General Data Protection Regulation (GDPR) places new obligations on organizations that process EU personal data. As a data processor, we value the privacy of our customers and their users and are committed to fully complying with the intent and requirements of the GDPR.
Does the GDPR apply to my organization?
You need to determine if GDPR applies to your organization. For many NovoEd customers, the answer is yes even if you have no EU based operations. GDPR may apply to you if you actively sell or market to EU member states or are training employees in the EU on the NovoEd platform.
What do I need to do with respect to NovoEd if GDPR applies to my organization?
There are many aspects of GDPR compliance to consider. Some specific items related to GDPR compliance with your use of NovoEd include
Determine and document your lawful basis for processing
Execute a Data Processing Addendum with NovoEd
Share your privacy information with learners
Be prepared to handle requests related to individual rights of data subjects
NovoEd has added a feature for your organization to define privacy information that is shared with the user. Learn more about that feature at: Sharing Org Specific Privacy Information
Lawful Basis
GDPR requires data controllers have a lawful basis for processing personal data. NovoEd is primarily a Data Processor under GDPR for our customers, who are the data controller. As such, NovoEds collection and processing of personal data is based on a contractual service agreement with a client. We rely on our clients to have a lawful basis for processing, either by obtaining consent or determining another lawful basis (e.g. contract or legitimate interest).
Individual Rights of Data Subjects
Requests related to individual rights of data subjects should go to the you, the Controller, and you will pass the necessary requests on to NovoEd. This includes the data subjects right for access, rectification, erasure, etc. NovoEd will notify the data controller if a data subject issues a request related to their individual rights directly to NovoEd.
Data Processing Addendum
If subject to the GDPR, you should have a Data Processing Addendum (DPA) executed with all processors used, including NovoEd. NovoEd has a standard DPA available to execute.
You can access NovoEds standard DPA at: NovoEd Data Processing Addendum.docx.pdf
You may sign and send to NovoEd Customer Success in order to execute as an addendum to your agreement with NovoEd.
Sub-Processors
NovoEd utilizes a number of sub processors in the delivery of the service, support, marketing, and sales. You can view our list of sub processors including the purpose and location for processing here: NovoEd Service Processors and Subprocessors

This article answers frequently asked questions about Google account integration with the team workspace. If you are curious about adding or canceling a Google account integration for your team's workspace.
What does Google account integration enable?
The Google Account integration enables Google Documents, which allow for the creation of documents, spreadsheets, and slideshows that can be edited collaboratively by all members of your team. The documents are secure, and can only be accessed by members of your team.
Why is my Google email shown to my teammates?
By utilizing the Google Documents a part ofthe team workspace, your Google email address is visible to your teammates in the Google Documents viewer. In order to ensure your Google Documents are viewable and editable only by members of the team, secure permissions are granted individually to each member of the team. When specific permissions are directly granted, Google displays the email addresses of the collaborators.
Does NovoEd access all of your Google Drive folders if integration is accepted?
No! NovoEd can only access the files in yourGoogle Drive that are created in the team workspace. Other files in your Google Drive cannot be touched, looked at, or accessed in any way, shape, or form.
How can I enable Google account integration if I do not want to accept the terms?
You can easily create a new Google account to use only for Google account integration with the team workspace. The account you use for team workspace collaboration tools does not have to be the same email address you have as your primary NovoEd email address that you use to sign in.
You can also easily add or cancel Google account integration for a course at any time.
How can I collaborate with my team if I decline Google account integration?
Some collaboration features are still available to use, including team messaging, meeting scheduling, and even the ability to upload/download documents to/from the team workspace. Although workspace-integrated Google Documents and Google Hangouts are unavailable, your team can still decide on other additional options for collaboration, including Skype, among other programs. We do, however, highly recommend making sure all teammates understand what collaboration tools are being used for assignments and projects.

Tips for conducting a peer review
Note the number of required evaluations for you to complete. Even for team submissions, each team member is required to complete the assigned number of peer reviews independently.
The peer evaluation period will have a soft or hard deadline dependent on the type of deadline the assignment is given.
If you have not submitted the peer reviewed assignment before the peer evaluation starts, you will not be able to participate in the peer review evaluation period, unless given an extension from the Teaching Team.

If you haven't done the assignment yet, you cannot conduct a peer review (you will see a Lock icon next to the evaluations task). Click "Take Me There" to complete the assignment.
3. Once you start the review, fill out the evaluation form on the right as you review the submission on the left. After completing your evaluation, click "Submit".
