  • Background Check

    Because of the liabilities involved, background checks are rapidly becoming a requirement for any organization that has volunteers that interact with children or other vulnerable populations. eCoordinator allows you to run background checks on your volunteers and review those background checks online anytime, anywhere. If you do not see this feature in your system but are interested in having it turned on, please contact a Samaritan Client Services.

    Samaritan Technologies has partnered with Safe Advantage Services to provide an integrated background checking experience from within eCoordinator. From within your account, you can request certain checks and them view them at your leisure. Once a check is run, the data is permanently stored within your database, so that you can revisit it anytime you desire. Listed below are the current checks* which can be run through eCoordinator:

    Sex Offender Search (I)**: Checks 51 sex offender databases nationwide (50 states and District of Columbia).

    Omni Database Check (I): Includes the Sex Offender search, but adds a search of over 215 million criminal, department of corrections and sex offender records instantly with the click of a mouse. Search requirements are: first name, last name and date of birth.

    On-site County Criminal Record Search (NI): This package can search public records from all 3100+ county courthouses in the United States providing both felony and/or misdemeanor information. It generally searches individual county courts where the applicant resides and/or works, or as requested by the client. Search requirements are: first name, middle initial, last name, date of birth, along with the desired counties to search. Releases may be required.

    Social Security Trace (I): This search allows eCoordinator users to input a volunteer’s social security number and instantly retrieve the names, aliases, date of birth, addresses and the dates the information was reported to the credit bureau(s). Search requirements are: first name, last name, date of birth, and social security number.

    Motor Vehicle Report (NI): The Motor Vehicle Report (MVR) is the driving record from a specified state's Department of Motor Vehicles (DMV). MVRs include lists of such items as DUI arrests and convictions, reckless behavior, moving violations and the status of the applicant's driving license. MVRs are available in all states nationwide. Search requirements are: applicant's first name, last name, date of birth, social security number, drivers license number, drivers license state and drivers license class (example: personal, commercial).

  • The Transportation Log Report

    The Driver Manifest Report represents the plan for a volunteer driver’s trips as scheduled at the beginning of the day. Often plans will change during the day as clients call in with ride cancellations and new ride requests are received. So, depending on how your organization works, the plan may stay accurate throughout the day or it may change almost as soon as the driver leaves his or her home.

    To accommodate changes and provide a convenient form on which to record the actual trips taken during a day as well as start times, end times, mileage, expenses, and other notes you can use eCoordinator’s Transportation Log Report.

    To print the a Transportation Log Report from inside of eCoordinator right click on any of the volunteers in the list to the left of the calendar and select Transportation Log Report from the right click menu that appears as shown below.

    After you select Transportation Log Report from the right click menu, the report will open up in its own window as a PDF file that you can print by clicking on the printer icon in the upper left corner of the window. You can save the report by clicking on the floppy disk icon that is just to the right of the printer icon.

    Each row in the report should represent a single travel segment or leg with its own pickup and drop off. If the original driver manifest is fairly accurate you can record the Manifest Ride Number for each travel segment in the first column of the report to help you match up the rides later when recording rides using the ride survey after each day’s driving is done.

    Enter an Activity letter in the Ride Outcome column to indicate the results of each ride. The Recorded column is just a place for you to put a checkmark as you enter each ride into the Ride Survey at the end of the day.

    You don’t need to record a driver’s hours on the log form. The hours will be calculated automatically from the start and end times of each ride segment.

    The information in the Transportation Log Report is customizable. So, please contact Samaritan’s Client Services department if you would like to have different information appear in your organization’s version of the report.

  • There are a lot of factors, as you know! I think you already know about the URL issue. The entire addressed must be saved to bookmark or create an icon.

    But if the station does appear correctly, here's a brief trouble-shooting guide that user's on site can check:

    1. The volunteer has to be placed with an opportunity

    2. That Opportunity has to have the sign in station attached

    3. The opportunity cannot be expired

    These are the basics.

    If all these conditions are met and they still cannot sign in, all we need is:

    1. the name of the sign in station

    2. the name of the volunteer trying to sign in

    3. the opportunity

    4. any error messages

    There are a couple other items to consider:

    Volunteers may be signed out automatically after a certain period of time set on the opportunity

    (For example, this opportunity is set to sign people out after 4 hours)

    If this is not set, and volunteers forget to sign out, they should be prompted the next time to do so.

    I have created a grid called:*check my sign in

    and shared it with everyone. Feel free to delete it if you don't want it but it may help show the status of a volunteer:

    This can help with troubleshooting too.

    Finally, the length of the display after signing in may be adding confusion.

    For example:

    Sign In Station:Troy - Main Desk

    Confirmation Display on sign in and out is set to 30 seconds.If you click away before the 30 seconds is up, the system may not save. I would recommend changing this to 5 or 10 seconds.

  • Samaritan is able to create and integrate your orientations, trainings, and courses with our in-house Learning Management System (LMS) integration.

    What is a Course?

    Courses or modules are training materials developed to address consistent needs throughout your volunteer management program that require the content to be delivered either by a human or self-guided through electronic means. Course / module material can be hard to develop and systematize. Samaritan's Client Success and Account Management teams are highly skilled in assessing your needs to determine the best way to deliver your training.

    Do I need an LMS?

    When deciding whether you need an LMS, ask yourself the following questions:

    1. Do I have training that is required of all my volunteers?

    2. Does my training have to be delivered via a human interaction or can I deliver it as a self-guided course with results?

    3. Who do I send the outcomes of my trainings to? Would a quick report suffice for relaying completion of a course of do I need to give a more specific outcome?

    If you answered "Yes" to these questions, you most likely would benefit from Samaritan working with you to create and host a simply LMS for your volunteer program.

    What type of trainings and content can Samaritan create with you?

    Samaritan's LMS Creation Criteria

    In order to fully asses your needs, Samaritan's team will work with you to document your current training needs, find ways to condense these needs to be more efficient and draft a customized scope of work so both parties know exactly the tasks and goals for your training creation. Team members will ask you a series of questions to ascertain the best approach for your organization and the audience who will receive the training.

    Pricing varies per course / module creation as each can contain different needs for delivery and consumption. The Samaritan Staff working with you can show you examples of Slide Types, Animation, Quizzes and Videos.

    What are my next steps?

    Once you've had a chance to document your proposed needs, your next step is to send your information to your Samaritan Staff Member for bid. They will probably host a call with you to discuss your needs to ensure they bid your request accurately. Keep in mind, there will be an annual hosting via (of nominal amount) to maintain the usability of your LMS. Once your bid is created and accepted, you Samaritan Staff Member will schedule your course creation and hosting with the appropriate internal resources.

  • A Learning Management System (LMS)is a software application for the administration, documentation, tracking, reporting and delivery of electronic educational technology (also called e-learning ) courses or training programs. [1]

    An LMS is used to solve the problem of how to train people outside the traditional classroom environment and on their own time. The easiest way to do this might be to create a YouTube video and post it for free. This is one solution but it only covers the delivery of content, it does not test, track or report the progress of the user to measure the completion or success of the training.

    There are several software companies thathave fully developed LMS packages. These can be very expensive and laborious to implement. There are also open source solutions available such as Moodle.

    For many of Samaritan's customers a full blown LMS is more than they need to manage volunteer training courses. In the past, Samaritan has used custom code and the API to create a "mini LMS" which is a combination of an online learning module that connects to the eCoordinator database to store quizzes and completion.

  • Here's the list that defines Personally Identifiable Information (PII) as provided by the United States Department of Health and Human Services regulations (45 CFR Section 164.514).

    (A) Names;

    (B) All geographic subdivisions smaller than a State, including street address, city, county, precinct,zipcode, and their equivalent geocodes, except for the initial three digits of azipcode if, according to the current publicly available data from the Bureau of the Census: (1) The geographic unit formed by combining allzipcodes with the same three initial digits contains more than 20,000 people; and (2) The initial three digits of azipcode for all such geographic units containing 20,000 or fewer people is changed to 000.

    (C) All elements of dates (except year) for dates directly related to an individual, including birth date, admission date, discharge date, date of death; and all ages over 89 and all elements of dates (including year) indicative of such age, except that such ages and elements may be aggregated into a single category of age 90 or older;

    (D) Telephone numbers;

    (E) Fax numbers;

    (F) Electronic mail addresses;

    (G) Social security numbers;

    (H) Medical record numbers;

    (I) Health plan beneficiary numbers;

    (J) Account numbers;

    (K) Certificate/license numbers;

    (L) Vehicle identifiers and serial numbers, including license plate numbers;

    (M) Device identifiers and serial numbers;

    (R) Any other unique identifying number, characteristic, or code, except for record numbers assigned by Samaritan that could not be associated by an external organization or person with any of the above types of information.

    This is the information in our customer data that must be protected with the highest levels of security. Additionally, any health information included in our customer data constitutes PHI or protected health information which must also be protected by our highest levels of security.

    Disclosure of any of this information without proper authorization is prohibited and carries severe penalties for Samaritan and it's contractors. Disclosure of any customer data by any member of our staff (including contractors) is grounds for administrative action up to and including termination.

  • Short Text vs. Long Text

    There are two types of free text boxes that can be used. One is called the "Short Text" and the other is called "Long Text." The difference between these two text fields is that additional rows (up to 50) can be provided for the long text field. The short text field can have up to only ten rows. The maximum width for short or long text is 80 characters. A scroll bar will appear to accommodate longer pieces of text.

    If you wish to have a default text value, deselect the "No Default" checkbox.

    Long Text fields cannot be added to the data grid and therefore cannot be a part of reports.

  • Printing a Driver Manifest From Within eCoordinator

    To print a volunteer driver’s manifest for a given day, first select the day in the calendar by clicking on it (in month view or week view), then right click on the volunteer’s name in the list of volunteers to the left of the calendar, and lastly pick Driver Manifest Report from the right click menu that appears. As an example, in the picture below the user has selected the 27th of May and has right clicked on Adam Adamson in the list of volunteers. This will print Adam’s driver manifest for the 27th of May.

    After you select Driver Manifest Report from the right click menu, the manifest will open up in its own window as a PDF file that you can print out by clicking on the printer icon in the upper left corner of the window. You can save the report by clicking on the floppy disk icon that is just to the right of the printer icon.

    Note that eCoordinator automatically adds start and end segments to the report for the portions of the trip that begin and end at the volunteer driver’s residence. Note also that each travel segment in the report is assigned its own manifest Ride number that you can use for reference if needed.

    The information in the Driver Manifest Report is customizable. So, please contact Samaritan’s Client Services department if you would like to have different information appear in your organization’s version of the report.

  • Schedule Report (example with Volunteers)

    This type of report can be accessed from the Volunteers, Opportunities and Clients tabs. Below is an example of how to create a "Volunteer Schedule Report."

    The Volunteer Schedule Report is divided into three columns: Time, Opportunity Title, and Slot Description.

    Listed are descriptions of what is under the column headings:

    “Time” has the volunteer's names (in blue) with the day of the week, date, and the volunteer's schedule listed by opportunity.

    “Opportunity Title” has the title of the opportunity. This corresponds to the time listed in the "Time" column.

    “Slot Description” has a description of the activity that the volunteer will be performing. The description of activity is the same description that the volunteer coordinator entered on the scheduling screen (as shown below).

    An option on the parameter screen is to "Start each group on a new page." The group is either by "Volunteer" or "Date"; it is the radio button selection that determined how you the report would be viewed or grouped by.

    This report is helpful in determining who will be doing what on a particular day or for a specific event.

    The ending date range on this report will always default to the next month.

    The date range on this report must not exceed a one month period.

  • Inserting Your Logo

    Here you can add your logo to the Sign-In splash screen the volunteer will see while at your Sign-In location. To complete this field, go to the website where your logo is located, right click on the logo and click on properties. Here you will find the address of your logo! Pretty cool, eh?

  • There are three steps to adding an image to an Opportunity profile.

    From the Attachments Tab,

    1. Select "Profile Image" (you will know it is selected because it will appear darker)

    2. Then, to your right, click on "Choose File" to select the image from your computer (you will know it is selected when you see the title of the image.

    3. Back to the left, select "Upload" to upload your image.

    You will know you are successful when you see the green check box in the attachments and you see it in the Image Preview:

  • Putting UDFs into Email Messages

    Did we mention how easy User Defined Fields ( UDFs ) are to use? Well now you can add UDFs to your email, too.

    As with all Mail Merge Fields, User Defined Fields (UDFs) can only be from your eCoordinator account. If you try to send an email with your default email client that contains Mail Merge Fields or UDFs, a warning message will display to let you know that this will not work properly. Mail Merge Fields and UDFs only work with eCoordinator.

    For example, your organization wants to verify an order of T-shirts that it will be placing soon, but you want to verify the T-shirt size of all of your volunteers first. Just use the T-shirt UDF that you created earlier and then click the "Email" button to open the email window. You will be able to find your UDF under the "Mail Merge Fields" heading on the right side of your screen.

    UDFs

    Once you have located the correct UDF field, just click "Insert" to insert it into the "Message" field.

    The selection of UDFs will differ depending on the tab that you are currently working from.

    Earlier we mentioned that eCoordinator Email can help you send batch email large or small. Below is an example of an email using Mail Merge Fields and that will be sent to several hundreds of volunteers:

  • Approvers System

    Volunteers can report hours online but there are times when these hours must be verified (i.e., approved) by a coordinator who witnessed the volunteer’s actions. If you, or another eCoordinator user, are the approval authority you do not need this system. You can select the record from inside the Log Book system and click “Approve” (see Approve Hours ). Otherwise, if somebody who is not an eCoordinator approves hours and service, you may want to consider using the Approver System, available as part of version 6.5.

    This system allows you to designate someone who does not have eCoordinator access to be an authorized log book entry approver. This works great when your service opportunities or trainings are managed by someone besides yourself or your staff.

    Before you start using this system there are some things you should consider:

    1.

    Which service opportunities need me to verify the hours that volunteers served?

    2.

    Of these, how many of them are managed by people who do not have eCoordinator access?

    3.

    Are these people willing to spend a few minutes verifying which volunteers actually showed up?

    There are two parts of the system: Internal and External. The “internal” part consists of a screen inside the eCoordinator opportunities system called “Approvers.” The "external" part provides access to the authorized "approver" of an organization or an opportunity in order to verify service reported by the volunteer on said organization or opportunity.

    The Approver System requires configuration within the Account Management System (AMS) and the Recruiter Management System (RMS). If you would like to set up the Approver System please contact Client Services at 1-888-904-6060.

  • Searching for Specific Opportunities

    Multiple criteria searching:

    There may be times when you do not want to search through the opportunities based on the preferences in your profile. You can create a custom search by selecting "Search All Opportunities" and then selecting the categories you wish to search by. After you have selected the categories choose whether you would like to have matches with all of the selected categories or with any of them. Now click the "Search" button under the category list to open the "Search Opportunity" window.

    In the "Search Opportunity" window there will be tabs for each of the categories that you selected for this search. Select specific attributes by which you wish to search. You can navigate through the tabs by clicking on the tabs or using the "Next" and "Prev" buttons. When you are finished setting your search criteria please click the "Finish" button. The page will refresh with your search defined list of opportunities.

    Zip code searching:

    There is also a zip code search that allows you to search for opportunities within or within a certain distance of a particular zip code.

    Keyword searching:

    You may also search for opportunities by entering text into the appropriate search box and clicking the "Search" button. The following are searchable:

  • How to Submit a Request

    There are two methods for submitting a ticket:

    Click the navigation menu option, "Submit a ticket," and follow the instructions.

    E-mail your request to [email protected]. E-mails sent to [email protected] will automatically create a request in the Support Center.

    What to include in your request

    In order to effectively address an issue we need the following information:

    Operating System (OS) (e.g. Windows WP, 7, Mac OS X Snow Leopard) and Browser (Internet Explorer (IE) 10, Firefox 23.0.1)used

    Name of eCoordinator account / eRecruiter # (if your system has more than one eCoordinator or eRecruiter)

    Please enter each task or question as a single item in the Support Center (Zendesk).

    When attaching a screenshot please use the following file types: .gif, .jpg, or .png and attach them directly into the support ticket (rather than in a Word document).

    If you think it's a bug, tells us what happened, how you tried it again, and it kept happening. Items that only happen once and cannot be reproduced are extremely hard to diagnose.

    If you can repeat the issue and tell us how you did it, show us the history and provide a screen shot, our ability to diagnose and solve the issue will be better and results will come faster.

  • Design Elements

    There are two selections, Comment and Divider, that are laid out like entry fields, but actually are just there to make the profile look better and be more easily understood.

    Comments

    A "Comment" is simply that. There are no headings, titles, dropdown boxes, or scrollable text boxes associated with it; it is simply for adding text or instructions to users on what is to come next. Many of our customers use it as a place to give instruction or additional information that does not require direct feedback.

    Example: "Heroes with x-ray vision will be required to interview over the phone" appears as:

    Dividers

    A "Divider" is the divider "Title" followed by a horizontal line. The purpose of using dividers is so you can visually group your information into sections.

    Using the super hero example again, you can see the comment ("Heroes with X-ray Vision," etc.) and the "Personal Information" divider.

  • To create log book entries form multiple volunteers at one, use the "Add Hours" feature.

    You can access this from the left menu.

    Select the records that you want to create hours for.

    First decided what to do if a volunteer is not already placed:

    Then select the opportunity:

    Enter Start Time and End Time. The tab to the "Hours" field and the system will automatically calculate the time:

    Then Save (or check Create Another and Save to create multiple entries):

  • For security reasons, we have enhanced the Reset Password feature to include additional safety questions. Users must provide their Zip or Postal Code, Date of Birth and exact email address in order to reset their password. They can also be reminded of their user name at the same time.

    When clicking on the "Forgot Password" link, volunteers will be directed to a page where they are asked some security questions:

    These answers must be exact. For example, if the database has "Sam" and the volunteer enters, "Samuel" then it will not be recognized. We recommend adding a phone number for volunteers to call if they experience any trouble.

    Once they have completed the first step, then they are asked to verify the email address of record. Then they are emailed a link to reset their password at the same time they are reminded of their User ID.

    The link expires 30 minutes from the time the email is sent. When they follow the link, then they can enter the new password.

  • The Sign in Stations have changed. This will require all users to use new links to their stations. (See below to set up these links).

    These enhancements include the ability to allow volunteers to use their email address to sign in (rather than their username and password). In addition, the "Open Roster" mode allows volunteers to sign in next to their name by the click of a button. (This mode requires the use of schedule shifts on the calendar).

    In addition, new links to the Sign in Station are generated from eCoordinator.

    To configure the Sign In station, go to Administrative Options and select Sign-In.

    A URL can be added for a logo to display on all of the stations.

    Existing Stations will appear and a URL can be generated by selecting the station of choice

    To configure the individual station, select the station and go to:

    "General" to edit the station name and supervisor information

    "Sign In" to edit method of station and other settings*

    "Messaging" to control how long the message displays before and after sign in

    *Additional settings:

    Open Roster mode is only available for Opportunities with Shifts scheduled on the Calendar.

    Early and late sign in can be adjusted relative to the time of those shifts.

    "Maximum/Automatic time..." can be set up to automatically sign out users once their time has reached that limit.

    Allowing other sign in methods will enable a link on the station that allows coordinators to adjust the sign in method on site. So if the station is set up for Open Roster, then users can switch to email if they are not on the roster but placed in the opportunity.

    Automatically set sign in and out time is a setting based on the start and end time of the shift.

  • The Email Preferences Featureallows volunteers to select which type of emails they prefer or to opt out entirely. This feature was designed to address concerns about the CAN-SPAM Act.

    This is an optional feature that can be turned on by request. Additional configuration is required.

    The settings are found by from the Volunteer tab by clicking on the Email button.

    There are a few settings to consider first.

    The first step is to identify the Types of emails that you send.

    Here's a sample:

    The Type "System message" will be the default. Volunteers are not allowed to opt out of--such as a "forgot password" email or emergency communications.

    A list of sample Types will be added to the system. These can all be edited from the email system with the exception of the"System message"

    Each email will be assigned a Footer where volunteers will be able to click on a link that goes to a page where they will set their preferences.

    This page will contain the Email Type Values set up in the email system. The page will look something like this:

    Volunteer will also have the option of Removing themselves from the entire system. This feature requires additional configuration.Please contact for help with these settings.

  • Early Group Functionality

    The Angular Group Sign Up Process in build 2.0 and 2.1.0.x provides functionality to match existing recruiter functionality (Group Size). Additionally, "Group Name" UDFs can be created and tied into the groups module which provides a searchable control and data container for group records.

    Group Name Functionality

    The Group name functionality allows group names to be added by volunteers to a UDF that is populated throughout the system via the Groups Module. When a group name is added, it becomes searchable in the list of groups. This way other group members can find the group and utilize it for schedule shift placements, and logging time.

    Setting up Group Name UDFs

    Currently, four group fields and an automation are required to configure the Group Name functionality. Once the UDFs are created, they can be tied into the Angular recruiter through the angular-config.js file. These configurations will enable the Groups Module directives to be used at various locations, such as the "My Groups" page.

    Improved Group Functionality

    As of build 2.1.1.0 (TBD) of the Angular project, the group sign up process provides a Group Leader the capability to "reserve" openings using the Group Size field. Then with an access URL other group members can sign up against that Group Size and decrease the Group's reserved availability by 1.

    Login

    The login module handles all login requests as well as redirection to specific resources after being logged in. The main component us the login form and Login controller. The login form has the following test cases:

    Entering no user details: error should show for each field and generic login error

    Entering a userId only: error should show for password field and generic login error

    entering a password only: error should show for userid field and generic login error

    entering both fields with one of the fields being invalid: generic login error

    attempting to login more than 3 times with both fields populated: reCaptcha should show and be required to continue

    attempting to login more than 6 times: message counter is applied indicating remaining attempts.

    attempting to login more than 10 times: Button becomes disabled.

    User Sessions

    Sessions are stored until the browser is closed, a person logs out, or there is no activity for a duration of time which is configured in RMS. Sessions will be retained through page refreshes. Sessions should meet the following test cases:

    A session should be destroyed when the browser or tab is closed: test by logging in, closing tab and reopening.

    A session should be destroyed when a user logs out: test by logging out and refreshing page.

    A session should be destroyed when a user is inactive: test by logging in, then going inactive for duration of time set in RMS.

    A session should be retained through page refreshes: test by logging in and refreshing the page.

    A session timeout should be refreshed when navigating to another page.

    A session timeout should be refreshed by any user interaction (moving mouse, clicking buttons).

    A session timeout should be refreshed on modals and in iframes.

    If a user is still active, a request (to the server to keep the session alive) should be sent every 29 seconds.

    When a session is close to timing out, it should display a modal giving the user a chance to refresh the session.

    If a user dismisses the modal, it should reset the session.

    Navigation

    top The Navigation component contains the primary links for a user to navigate the system. When a user is logged in they will have access to additional links such as, "dashboard" or "log out". The Navigation component is designed to fit any width screen. When links do not fit on the screen, they are compressed into a hidden menu accessed via a "hamburger" link.

    Navigation Test Cases:

    It should hide breadcrumbs on scrolling

    When the screen is too small to display all links, it should show a clickable menu icon instead.

    When the window or display is reduced or expanded it should re-evaluate if the menu Icon is necessary and display it accordingly.

    When the menu icon is clicked it should display the collapsible menu according to the configured method.

    The collapsible menu should contain all configured links.

    If a search link is displayed on the collapsible menu, it should have a sub-nav tree which contains the search filters panel.

    If a link is configured to display when "logged in", and a volunteer is logged in, it should display.

    If a link is NOT configured to display when "logged in", and a volunteer is logged in, it should not display.

    If a link is configured to display when "not logged in", and a volunteer is not logged in, it should display.

    If a link is NOT configured to display when "not logged in", and a volunteer is not logged in, it should not display.

    Volunteer Assignment Service

    The Volunteer Assignment Service handles all placements and referrals to opportunities and schedule slots. The service provides options for logging in or registering. As well as signing up with a group, presenting prerequisite information, and any other precursor steps to signing up for an opportunity.

    Opportunity Test cases:

    It should perform all checks according to the Sign Up Action Button

    It should attempt to place/refer a volunteer to the opportunity according to the settings for the opportunity.

    If a waiver is required it should request the waiver signature before place/refer.

    If a prerequisite is not met on a placement opportunity, it should refer instead.

    If the user is not placed/referred for any reason to the opportunity, a message should be displayed clearly stating the reason.

    Schedule slot test cases:

    It should perform all checks according to the Sign Up Action Button

    If the user is not referred/placed with the slot's opportunity, it should first place/refer the user to the slot's opportunity.

    If the user is only referred to the opportunity, and the schedule slot is configured to allow referral, it should refer to the schedule slot.

    If the user is only referred to the opportunity, and the schedule slot is NOT configured to allow referral, it should not refer to the schedule slot.

    If the user is not placed/referred for any reason to the schedule slot, a message should be displayed clearly stating the reason.

    Attachments

    There are three places where attachments can be uploaded: inline attachments, attachment list, vol photo attachment. Attachments can be inserted inline on forms, dashboards, or any other place a logged user would like to see them.

    Inline attachments can be set to required when in forms. Inline attachments include a link to download or delete the file.

    Vol Photo attachment: A volunteer's image can be attached from the vol photo attach directive, which is usually on the dashboard. This tool includes an image cropper.

    Attachments can also be updated through the attachment list. "Other" type attachments can be uploaded on the attachment list view.

    Test cases:

    When an attachment is not uploaded, it should provide an upload link.

    When an attachment is uploaded, the attachment should show uploaded and provide delete and reupload links.

    On refresh, uploaded attachments should provide delete, download and reupload links.

    When an attachment is deleted it should confirm delete before proceeding.

    When an attachment is deleted it should provide an upload link again.

    When an attachment is deleted it should remove the thumbnail

    When an attachment is changed all UI references to that attachment should be updated.

    When an "other" type attachment is added it should be added to the attachment list with the name provided.

    When an "other" type attachment is deleted it should provide an upload link.

    When an "other" type attachment is deleted and the page is refreshed, the other type should be removed from the list.

    When an attachment is an image (jpg, png, gif) it should show a thumbnail preview in the attachment list after being uploaded.

    Search Filtering and Sorting

    The search filters system uses opportunity attributes that are displayed in a variety of ways based on configuration. Searches are performed on opportunities and schedule slots. Search settings can be retrieved using the URL at the top of the page. Below are some example URL string

    Search Filtering Test Cases:

    When a filter is selected, it should add that filter to the URL automatically.

    When a filter is removed, it should remove that filter from the URL automatically.

    When a sort is added, it should be added to the URL automatically.

    When a sort is removed, it should remove it from the URL automatically.

    Searching for Opportunities

    The Search applies filters immediately to a set of records. This improves responsiveness and decreases server requests. Searches can be configured into groups. Each group will act as an OR between all criteria in that group. Groups are then compared against each other as AND logic. Aside from custom search criteria there is also keyword search and location/zip and distance. Search filters can also be applied using quick link URLs.

    Note: Opp search filtering only applies to the specific results views that are part of the search feature, The list, map and calendar views.

    List view test cases:

    It should update search results automatically after clicking on a checkbox or radio button

    It should update search results after pressing enter or leaving the keyword field

    It should allow search results to be sorted by title in ascending or descending order

    It should allow search results to be sorted by publish date in ascending or descending order

    Map view test cases:

    It should provide a pin for each opportunity that has custom coordinates, a location address or a contact address

    If custom coordinates are provided, it should provide a pin based on custom coordinates first

    If no custom coordinates are provided, it should provide a pin matching the location address

    If no location address is provided, it should provide a pin matching the contact address

    When a pin is clicked, it should open an info window for each pin with details about the pin (detail window may vary in format)

    It should cluster the map pins when they are close enough to each other and indicate the number of records for the new clustered pin.

    If there are only 2 records in the cluster, when clicked, it should open an info window with a listing each record in the cluster

    Calendar view test cases:

    It should display schedule slots for the filtered opps on the calendar.

    If there is no schedule slot for the opportunity, it should do nothing.

    Search for Schedule Slots

    Schedule slot search filtering filters all available schedule slots in the current view. After applying most search criteria to the parent opportunities, schedule slots are pulled for the filtered opps. a user can do a more exhaustive search of slot specific fields, such as date and time, to refine results further. The views that support slot results are the list and calendar views.

    Note: Slot search filtering only applies to the specific results views that are part of the slot search feature, The list and calendar views.

    Test cases for both views:

    It should not display schedule slots that exist past the opportunity's expiration date.

    It should not display day off schedule slots.

    If the Start Date filter is used: It should not display schedule slots that start before the set date.

    If the End Date filter is used: It should not display schedule slots that end after the set date.

    If the Start Time or End Time filters are used: It should display all schedule slots that are "touching" (in-between, starting before the end time but after the start time, ending after the start time but before the end time.

    If the Group Size filter is used: It should not display schedule slots that have an available group size that is less than the set group size.

    If A buffer time is configured: it should filter out events that start before the current date plus the buffer time.

    It should load and make available for display, the amount of slots equal to what is configured in RMS.

    Test cases for list view:

    It should provide details about the parent opp for each schedule slot, such as opp title (this is configurable, and may vary).

    It should provide a message indicating the number of results.

    It should default to sort by date/time.

    It should allow sort by title, which sorts by opportunity title.

    It should provide links to opportunity details (note the search criteria are not applied to opp details)

    Test cases for calendar view:

    If there are 3 or fewer slots, it should list each slot available for that day.

    If there are more than 3 slots, it should group slots into one clickable slot placeholder with a count indicator of how many slots are on that day

    If an individual slot is clicked, it should open a modal window with information about that slot

    If a grouping of slots is clicked, it should open a modal window with a listing of all the slots on the day, sorted by time.

    If a grouping modal is opened it should display a sticky footer with "modal specific" navigation that is fixed to the bottom of the screen.

    Waivers

    The waiver system can be enabled to require waivers be signed within specific places in the system. Waivers can be configured to be requested in four places: registering as a new volunteer, upon opportunity sign up, on the volunteer dashboard, and as part of an onboarding process.

    Test cases:

    It should get all historical waivers for the current user.

    It should only add waivers that match the "require when" configuration criteria to the required waivers.

    It should compare all current waiver requests to historical waivers before adding them to required waivers.

    It should open a modal notification that users accept, before loading any waivers.

    It should display required waiver(s) when requested (on opp sign up or other trigger event).

    If the waiver is a generic waiver, it should show the survey iframe.

    If the waiver is a DocuSign waiver it should show the DocuSign iframe (full screen frame).

    If multiple waivers are required, it should display the next waiver after the current waiver is completed, until all waivers are signed.

    Cancelling a waiver should close all user interface components for that waiver.

    Waiver type Logbook entries should not display in the logbook with normal LBE entries.

    Test cases for opp prerequisite waivers:

    It should display a message modal with a list of all required waivers before displaying the first waiver.

    Once all waivers are signed, it should place/refer volunteer to opportunity as configured. (see general test cases for process)

    If the waiver is cancelled, it should not place or refer you to the opportunity.

    Test cases for triggered waivers:

    When triggered, It should load the proper waiver in either a full screen frame or a modal based on configuration.

    If the waiver process is cancelled it should not perform any additional actions.

    If the waiver process is completed, it should perform the configured callback response function. eg: open a success modal, change a field value or other custom action. (see each recruiter configuration specs for more details).

    Test cases for DocuSign waivers:

    It should create a LBE if there are mapped LBE fields in the waiver configuration.

    It should create a DocuSign envelope and put the envelope GUID into the mapped LBE or VOL field.

    It should pass the OPP ID, LBE ID, Survey ID, and all configured custom field values to the DocuSign envelope record.

    It should populate the DocuSign document tabs with data from the configured display fields in the DocuSign visible document & envelope record.

    It should attach the DocuSign document to the mapped VOL or LBE attachment after being signed.

    Sign In Station

    The sign in station allows for various configurations and modes. The modes include Open Roster, Email, Username/Password, Barcode, Volunteer ID, and Driver License. Each mode requires some level of configuration, either through the admin settings panel or through the associated angular-config.js file.

    Test cases:

    It should display the current time within 1 second.

    It should allow eCoordinator (admin) login access.

    It should allow the user to select a station and opportunities to use.

    It should allow users to switch between modes (Open Roster, Email, Username/Password, Barcode, Volunteer ID, and Driver License).

    It should allow users to set all miscellaneous settings.

    It should save all configuration settings when the save settings button is clicked.

    When "Reset Station" is clicked it should reset the station to not configured.

    File Caching

    Almost all files delivered from the CSTOOLs folder are managed by the Cache Manager. This module holds an array of these filenames and their date modified times. When you call for a cache URL it matches that URL to one in the array and returns the URL you are calling with an appended version number. If a file is updated, the Cache Manager will automatically update the version number to the new date modified time. File names are manually added to the Cache Manager by a developer when a new resource becomes available. In addition, the commonly modified angular-config.js, recruiter-styles.css, and recruiter-responsive.css are also handled by this module.

    The Cache Manager requires two files to work, the cache manager itself and a copy of cacheVersions.php which is stored in the local custom folder of the recruiter. This combined with no-cache headers prevents resources from being cached after they have been updated.

    Test cases:

    When a module file is updated, and it exists in the cache manager module, the file should get a new version number and a new copy of the file should be retrieved from the server.

    When a partial template file is updated, and it exists in the cache manager module, the file should get a new version number and a new copy of the file should be retrieved from the server.

    The system status tool provides module information as well as basic bug tracking information. The module information is updated every 4 hours, and is collected using keen.io.     Architecture

    There are 4 main modules that support the Angular recruiter project. The UserManager, RecordManager, ConfigSettings and SamaritanDataService.

    The SamaritanDataService is the direct communication path to the database via the Custom Environment. Requests are made through the sDs eg: sDs.send('er_volFields', ...).

    The UserManager maintains roles for volunteers, organizations, and guests. Each role has their own record store for user specific records such as opp and slot placements, logbook entries, attachments, waivers etc. The user manager also stores many record formatters for the various records that are requested and stored. The userStore can be used to pass the current state of authorized users throughout the system.

    The RecordManager maintains non-user specific records, such as opportunities, schedule slots and organizations. Records are provided to other parts of the system through the recordStore as the main container of non-user-specific data. The RecordManager also contains many record formatters to structure data properly before putting it in the recordStore.

    ConfigSettings combines AMS, RMS and custom settings used throughout the system. The settings control functionality across various modules, within templates, and even within the RecordManager and UserStore.

    Components

    Modal: Modals are delivered using bootstrap's modal structure, and the bootstrap.ui angular module. There are basic confirm/cancel modals and custom or templated modals, which can all be configured to some degree. Custom modals can be called using the same service and will often be intermixed within standard functionality.

    Full Screen Frame: A full screen frame acts like a modal except that it takes up the entire screen. There is a close button that can close the frame. Full screen frames are often used to display iframes or menus and other navigation.

The button begins a sign up wizard that can be configured to direct the user through the sign up process. The wizard can be configurable but almost always contains most of the following steps

  • Approve Hours

    For some organizations it is necessary to approve volunteer hours. Volunteer hours may be subject to audit if an organization receives funding based upon the number and type of volunteer service hours performed. eCoordinator makes it simple to Approve or Disapprove a volunteers reported hours! If you do not see this feature in your system but are interested in having it turned on, please contact a Client Services.

    In the log book data grid you see an "Approval" button on the left hand side.

    "Grid Settings"

    Select the checkbox next to the log book entry or records for which you wish to Approve or Disapprove and then click the "Approval" button.

    If you want to address all the records on the screen, do not select any records, simply click the "Approval" button.

    The "Approve/Disapprove Hours" window opens.

    From here you can choose "Yes, Approved,, "Disapproved," or "Not Yet Approved." You can also choose if you want your Approval to apply to all the log book entries or just the entries you selected on the previous screen. Once you have made all your choices, click the "OK" button. If you decide you are not ready to make your decision at this time, click "Cancel."

    Once you have approved or disapproved your volunteers hours, you can view the information in the log book grid. There are 4 columns in the log book grid that relate to approval status.

    Approval Status: Indicates whether or not the entry has been approved, disapproved, or not yet approved.

    Approved By: Displays the user who set the approval status.

    Approval Date: Is the date the approval status was set.

    Approval Hours: Shows how many hours were approved for this log book entry.

    Approver's Note: If any notes were typed in, they will be displayed here.

    Approved By User Type: Shows either "eCoordinator User" or "Approver." (See the Approver System section for more information)

    If you do not see these columns in your log book grid, you must add them through the functionality directly above the data grid.

  • Surveys

    The surveys are set up in eCoordinator in the Tools> Administrative Options> surveys menu as well as from within the opportunity profile. Starting with eCoordinator 6.2, a survey can now be connected to one or many opportunity(ies). From within a particular opportunity profile, you may view all available surveys, which survey(s) the particular opportunity is using, change the order of presentation, or add, edit, and delete a survey. Please keep in mind if you delete any given survey you delete it for any other opportunity also using it. If you no longer desire the volunteers of a particular opportunity to respond that survey, simply move it out of the category, "Surveys used by this opportunity."

    When you first start utilizing eCoordinator, or anytime you create a new opportunity, the system will create a "default" survey, called "Log Book Survey." Whether you choose to use the Survey System to its full functionality or not, this default survey guarantees volunteers or users can record hours of service and service performed. This survey is by default comprised of "Hours," "Service Performed," and "Miles"; however any of the three " Logged Data Fields " can be deactivated as defaults during the implementation process or removed by you, the user.
