Frequently Asked Questions About SHI International

  • The Start Screen application leverages the Active Directory Authentication Library (ADAL). The Start Screen application requests that the user authenticate with Azure Active Directory using Single Sign on with Office 365.

The following describes the authentication flow and how the application communicates with your Office 365 tenant.

    Start Screen Initial Set Up

Before users can sign into the Start Screen you must authorize the Start Screen application to communicate with your Office 365 tenant. In this case you will see a trust dialog that your Global Administrator must accept. Here you will be able to review the full list of permissions requested by the Start Screen. See What Permissions Does Start Screen Require and Why?

    Initial Log In

In the case of a first time or non-logged in user the user is redirected to a sign in page hosted by Microsoft. The user authenticates with Microsoft via the Sign-In Page hosted by Azure Active Directory. SHI never touches or has visibility to the users password during this transaction.

    Receive Access Token

A temporary access token is then provided from Microsoft back to the Start Screen application. This token is used by both the JavaScript front-end as well as the API back-end depending on the use case.

    Office 365 API Calls

This temporary token is then used during API calls back to your Office 365 tenant for information such as your employee directory, list of recent files, list of team sites you have access to, etc. This information is then presented directly to the user via the web browser.

The above diagram depicts how the Access Token is passed from Azure AD to the end user browser and back to the Start Screen application. Start Screen only works with this temporary access token and never the users password directly.

  • For the purposes of the Start Screen application there are two types of data.

    Your business data

    Start Screen application metadata

Below you will find descriptions of these two types of data and where that data is stored. Additionally, all data is encrypted at rest (using SQL Server data encryption) and in transit (using SSL).

    Your Business Data

Start Screen does not store or cache any customer application data. All data is retained within your Office 365 tenant. Start Screen pulls metadata from various Office 365 API's in order to present the information to the user but all links to content are linked back directly to the source file.

    For example:

    Profile Images

The profile image URL is accessed via the Office 365 Graph API and displayed directly to the user via the browser.

    SharePoint, OneDrive and Teams Files

All files linked from Start Screen are directly linked to their URL in SharePoint, OneDrive or Teams. Start Screen accesses this URL via the metadata available from the Office 365 API but does not cache or access the file itself.

    Yammer Files

Yammer integration consists of an embedded iFrame within Start Screen. No data is stored or managed by the Start Screen application.

    Start Screen Application Metadata

Application metadata simply data that is specific your configuration of the Start Screen application and does not include business data.

    This includes:

    Navigation Configuration

    Application Links

User Favorites (which links have been favorited by different users)

    User Metadata

    User Name

    Display Name

    Email

    Last Login (time and address)

    Security Role

    Tenant Metadata

    White labeling configuration

    Yammer network configuration

    Company Name

    Tenant Identifier

Enabled or Disabled Modules (Yammer, etc.)

  • For the EA change, you are in luck as it is just a billing change on the back end. To complete this transition to a new EA you must open Microsoft Support case. You can open a case right from within the Azure portal under Support. Before making any billing or identity transition to be sure that any risks are identified ahead of time.

    http://aka.ms/AzureEntSupport

Microsoft will need these 4 data points to complete the move:

    Source EA#

    Target EA#

    Preferred transfer date

Approval from EA admin from Target EA#

Below is some information relating to EA transfer and account transfer. Both ways can move accounts/subscriptions from one enrollment to another.

1)EA Enrollment transfer Typically done by request when a new agreement is negotiated or there is some consolidation of enrollments such as when one EA portal customer is acquired by another. Enrollment transfers are automated only when the partner specifies in the order system that a transfer should take place and provides the source and destination enrollment numbers for date aligned agreements (for example source ending Dec 31, 2016 and destination starting Jan 1, 2017)

What Happens:Moves all roles (Enterprise Admin, Department Admin, Account Owner and subscription level roles) and all subscriptions from source enrollment to destination enrollment. The transfer can be set to any effective date that is within the contract period for the destination enrollment but only for periods that have not been invoiced for overage in the source enrollment. It leaves the source enrollment in a transferred status which is available only for historic usage reporting. No roles or subscriptions can be added to an enrollment in transferred status.

What happens to the Department hierarchies?(i.e. when we transfer EA enrollment 1 and EA Enrollment 2 into new EA Enrollment 3, do hierarchies move along with enrollment transfer as well or do all accounts from EA1 and EA2 will get transferred to new EA3 as unassigned?

Department is not moved as there may be different department set up in new EA. We are not able to move existing department set up but customer can specific if they wish to move the accounts under a specific department on the new EA

Transfer effective date:Lets say if transfer is requested on 4/10/17 with effective date of 4/1/17. Does that mean all Azure usage in EA1 and EA2 during the period of 4/1/17 to 4/10/17 will be transferred over to new enrollment and invoiced to EA3 from the monetary commit of EA3? Yes, usages will be moved accordingly.

How:Done by EA Portal Support team through a support ticket created by the field or customer at http://aka.ms/AzureEntSupport

Advantages:This type of transfer impacts back-end accounting only so nothing changes in the authentication model or any of the subscription-level roles.

Potential Problems:Please note Enrollment transfers do not move monetary commitment from source to destination enrollment. Those amounts are contractually bound to the enrollment. Future invoices may continue If an enrollment transfer occurs in the middle of an enrollment contract period it does not cancel future orders for monetary commitment without contractual action being taken to true-down the source enrollment. For example, if I have a 3 year EA agreement with an annual monetary commitment (MC) of 50K and I transfer the enrollment in year 2 after my MC is consumed, I will still be invoiced at the start of year three for 50K which is essentially unusable in the now transferred status enrollment.

2)Account Transfer from one EA enrollment to another Typically done when a single customer has multiple enrollments that may be set up for different business units and the account owner or workload is moving from one to the other. Occasionally done when an account owner moves from one company to another.

What Happens:Moves only the Account Owner role and any subscriptions owned by the account owner from source enrollment to destination enrollment.

How:Done by EA Portal Support team through a support ticket created by the field or customer at

Advantages:This type of transfer impacts back-end accounting only so nothing changes in the authentication model or any of the subscription-level roles. This leaves the source enrollment intact, active and useable for new roles and subscriptions to be added.

  • Start Screen requires an administrator to consent to a set of permissions when first logging into the application. These permissions enable the application to display data from your Office 365 tenant and in some cases allows the application to interact with data in the tenant.

Currently, there are only two features that leverage the write permissions.

Ability to mark a task complete from your Start Screen Dashboard. The application requires the permission to write tasks in order to mark a task In Progress or Complete when a user clicks on the task status.

Ability to deploy the Start Screen into SharePoint from the Admin section. The application requires the permission to write files to SharePoint sites in order to allow for 1 click deployment of the application into an existing SharePoint site.

Currently, all data is stored within your Office 365 tenant and never leaves your tenant with the exception of the applications listed in the Application Directory.

The full list of permissions that are requested are listed below with a description of what that permission enables.

  • Introduction

The Start Screen for Office 365 is a single dashboard that allows users to find and access documents, sites, tasks, and Yammer from one location. It is easy to deploy and can be used as a standalone site, or rendered in a SharePoint Online site. These steps should be completed by an Office 365 or SharePoint Admin.

    Getting Started is Easy

To get started using the Start Screen:

In your web browser, go to https://startscreen.shi.com

Log in with your Office 365 credentials

Note: the first person from your organization to log in to the Start Screen will be set as the administrator within the Start Screen application and mustbe an Office 365 Admin.

Select Accept on the permission screen.

Install Start Screen to a SharePoint Online Site

You will be redirected to the Start Screen.

Click Got it! on the Welcome dialog.

Your Office 365 profile and related items will populate the screen.

Grant Administrative Consent for the organization:

Why consent again? The first consent was for your account only; this covers the rest of your organization so they will not see the consent page when logging in for the first time.

Hover the mouse in the upper left corner over the profile picture, click Settings.

In the General tab, click Consent.

    Re-authenticate credentials and click Accept.

    What's next?

We recommend installing Start Screen into a SharePoint site so that you can use the Office 365 header for branding and navigation purposes.

  • Once your organization has decided to start using Office 365, you will need to set up an Office 365 tenant account (sometimes known as organizational account) and Office 365 creates a domain for you, like tenantname.onmicrosoft.com. Sometimes the tenantname you want is not available:

    Microsoft Online Password Reset

    Now what?!

Some customers are fine to select a new tenant name and continue on. However, if there is a specific tenant name you want, here are two processes to try:

Find out if someone in the organization has previously created a trial tenant or signed up for other related services.

Often, someone in the organization has created an Office 365 trial using organization credentials. This also applies to other Microsoft Cloud applications, like Power BI account and Dynamics CRM. These applications utilize the Office 365 platform and the subscriptions are managed in the Office 365 Admin Center. The first person to set up any of these accounts is automatically provisioned as the global administrator.

Check with the IT team and any admins within the organization. If you are able to find the user who created the tenant:

    Have them login to https://portal.office.com

If the page redirects to office.com, click the waffle and select Admin to go to the admin center

Add a new user and assign global admin privileges

The new admin is now able to log in and continue provisioning Office 365.

    Call Microsoft Billing and Subscriptions

Call Microsoft Billing and Subscriptions (1.800.865.9408) to inquire if the desired tenant name is an active or trial subscription. Through a process of elimination try to narrow down if it was created by someone within the organization.

For security purposes, Microsoft cannot give out any information; however, they can confirm information that you provide.

Some things to try: Ask if the phone number starts with a specific area code; Verify your office address; Try specific names or email aliases.

What if the individual no longer works for the organization?

If it turns out that the employee who created the tenant is no longer with the organization and you are unable to contact them, you can try the reset password wizard. This will only work if they used their work email in the contact info when creating an ID. If they used a personal email account, out of luck.

Create a temporary mailbox for that person in Exchange

    Useand input a user ID

The new password will be sent to the contact email address. If they used the organization email address, it will be sent to the new mailbox you created.

    Can Microsoft reset the password?

If it has been established that the tenant has been created by someone within your organization, Microsoft has to contact anyone listed as admin. If they do not hear back within 24 hours, they will reset the password, but you still need to now the user ID.

  • Now that you have purchased a Microsoft Online service, such as Office 365, youll need to associate or set up an Organizational Account for that service. There are multiple Online Services available from Microsoft: Azure, Intune, Dynamics 365 (formally Dynamics CRM), Office 365, and other add-on and stand-alone services.

This articledeals specifically with Office 365 and it assumes you have already signed up forthe service and are now ready to activate.

You can either activate from the Volume License Service Center (VLSC) or use the Express Activation from tenant discovery email provided by the Microsoft Online Services team.

    Activate through VLSC

Sign into VLSC, select the Online Service Activation tab.

Select the Licensing ID for the online service you want to activate and click Manage Activations.

This should open a Volume Licensing Service Activation screen where you will need to choose one of two options:

I have an account for my organization to use

Choose this option if you have an existing Office 365 tenant set up as a trial or pilot within the organization.

This is different than the login for the VLSC.

If you have an organizational account, sign in andproceed to step 4.

I need to create a new account for my organization to use

If you need to create an organizational account and subsequent Office 365 tenant, click this option and see section How to Create an Organizational Account / Office 365 Tenant

You will be directedto a page asking you to sign in with your Office 365 credentials.

After you sign in, you will be taken to a page where you can activate your online services. Select service you want to activate and click Start Activation.

This process ties your VLSC purchase to your Office 365 tenant.

For future purchased, licenses will still need to be reserved in the VLSC, but management of the subscription (assigning licenses, etc.) will be done in the Office 365 Admin Portal.

In the get started with Office 365 dialog box, click the check box next to I understand. I'm the right person to be doing this for my organization.

    Click Start.

If there isa product key (Microsoft is moving to a keyless system), the system will automatically enter the key for the service. Click next.

Verify the number of licenses is correct, click redeem.

Office 365 should show the number of new licenses that have been activated. These licenses are ready to be assigned to users.

For more detailed instructions, download the Activate Online Services (here) document.

    Express Activation

For customers with Enterprise agreements, every online service reservationstarts with the Microsoft Online Services team sending a "tenant discovery" email describing how to activate online services.

If your agreement has an existing Tenant, your reserved licenses will be added to the existing Tenant. Once the reserved licenses are ready to be assigned, the person who placed the reservation and the Tenant Admin will be notified.

If your agreement does not have any existing online services, e.g. this is your first reservation or order, the person who placed the order will receive an activation email from Microsoft. The default contact at your organization for the activation email is the Online Services Manager (OSM). If no OSM is designated, the email will go to either the VLSC Online Administrator, the Notices Contact, or the Online Administrator.

When you receive the Tenant Discovery email, there will be an option to either "Sign In" or "Sign Up". It is imperative that you select the correct option, as the action cannot be changed; this ties the tenant to your VLSC and EA.

Sign In:This means you have login credentials for an existing Office 365 tenant. This may have been set up asa trial, forpilotingpurposes, or paid subscriptions purchased separate from your EA.

Sign Up: This means your organization does not have an existing Office 365 tenant. You will directed to create the tenant for your organization.

    Activate Online Services

    Existing online services customer

Click Sign In on the tenant discovery email.

Login using your Office 365 credentials and confirm the correct amount of licenses have been added to your tenant.

    New online services customer

Click Sign Up on the tenant discovery email. You will be taken to the Microsoft Office 365 site to create a new account profile.

Follow the steps to create a new User ID and Tenant Domain Name for your organization.

Once you create a tenant domain name, this cannot be changed. Microsoft will add "onmicrosoft.com" to the domain name you select. You can add your organization's custom domain later so that users will not need to login in with the "onmicrosoft.com".

The tenant domain name will be used for applications like SharePoint online and cannot be customized ... i.e. yourcompanytenantname.sharepoint.com.

Once the profile is complete, your new tenant will be provisioned.

What if the tenant name my organization wants is not available?

This does happen on occasion. Choosing a tenant domain name is very much like selecting a new dot com, if someone else already owns it, you'll have to choose another. There is a chance thatsomeone within yourorganization created a trial using your organization name, the trick is finding who that person is and getting the proper admin access.

Check with the IT team or any admins within the organization

Send an email to the organization asking if anyone had signed up for Office 365 using the organization name. The first person to create an account is set as the Global Admin.

If you are able to find the individual, have them sign into Office 365, create a new user account for you and assignGlobal Admin permission.

You can now log in and change that user's permissions.

You can contact Microsoft Billing andSubscriptions (1.800.865.9408) andthrough a process of elimination try to narrow down if it was created by someone withinyourorganization.

For security purposes, Microsoft cannot give out any information, but they can confirm information you give them.

Some things to try: Ask if the phone number starts with a specific area code; Verify an address of one of your offices; You can try specific names or email aliases.
