View ArticleIf you have met the completion criteria requirements for a presentation and if the author enabled a completion certificate to this presentation, you will have the option to print your certificate after viewing the presentation.
The three ways users can receive a completion certification from a presentation are as follows:
By e-mail
By selecting the "download" button from the completion indicator
By selecting the "Next Up" button
By e-mail:
Check your e-mail inbox to see if you received an e-mail from [email protected] with the certificate attached.
If you do not receive this e-mail immediately, check again 15 minutes after viewing and closing the presentation.
If the e-mail is not in your inbox, be sure to check your junk/spam folder to see if the e-mail was sorted incorrectly.
By selecting the "download" button from the completion indicator:
contact Support.
In the upper left-hand corner of the Brainshark player, select the down arrowin the green completion indicator to begin the download.
By selecting the "Next Up" button:
In the bottom right corner of the player, there will be a yellow circle will three vertical dots. After clicking this button, in the drop-down menu that appears, select the Next Up option to begin the download.
NOTE: After your certificate completes downloading, you will be able to open the PDF file of your certificate and, from here, you will be able to save or print your certificate.

View ArticleCurrently, there is not a way to send out a manual notification to notify students enrolled in a course with multiple sessions that they will need to select a specific session. There are two tools, however, you can use to clarify the course selection process and to help determine who these students are.
How to clarify the course selection process
To help clarify the enrollment process for students, you can update the Course with Session Registration email that is sent when a student enrolls in a course. You can use this email to notify them to register for a specific session. To edit this e-mail template, please see the following article:

How to determine which students are not enrolled in a specific course session
To determine which students are not enrolled in a specific course session, you will be able to run a report to identify these students. To run this report:
Navigate to the Reporting tab
Select the Course Enrollment Report
Click Find and select your course with sessions
For Output format,select Comma delimited (*.csv)
Click Run report
In the report, go to columns AW AZ at the far right of the document. If all of these columns are blank, this means that the student is not enrolled in a session.
NOTE: You can filter the data for columnsAW AZ to identify any blank columnsand to recover the emails of these students if you would like to communicate with them externally.

View ArticleA Company Administrator can allow authors to set the number of retries a viewer has when responding to questions. This can be enabled from the Administration section of your Brainshark account.
To enable question retries:
Navigate to the Administration section
From the left-hand menu under Manage Company, select Manage Templates
Next, select Question Settings
Towards the bottom of the page, you will see an option that says Retries: Allow authors to specify retries for questions. Select Yes.

View ArticleIf you expect to receive a completion certificate at the end of your presentation, you must turn off your pop-up blockers before taking the presentation. You can also set up your pop-up blockers to allow only Brainshark.
Below are instructions forvarious browsers. Internet Explorer:
Go to the tools drop down (Gear Icon) located on the top right side of the browser window.
Select Internet Options from the drop down menu
Select Privacy tab
Select"Pop-Up Blocker Settings"
Under "Address of website to allow" type in www.Brainshark.com and then click "Add"
Follow these steps again to add *.brainshark.com. You should see the address appear in the allowed box below.

View ArticleIf view receipts are enabled for a presentation, there are three settings that control when a view receipt will be sent:
After Viewing Ends
Before Viewing Ends
Both Before and After Viewing
If the Presentation is configured to After Viewing Ends, the view receipt will arrive 10-15 minutes after the presentation window is closed OR after the session times out (This takes 1 hour of inactivity).
If the Presentation is configured to Before Viewing Ends the receipt will begin sending immediately upon the presentation being opened and can take 10-15 minutes to arrive in your inbox.
If the Presentation is configured to Both Before and After Viewing two emails will be sent, one as soon as the presentation is opened, and the other once it has closed.
NOTE: View Receipts are controlled and sent via a Browsers cookies so if cookies are not enabled in the users browser a receipt will not be sent.

File is encrypted
File is password protected
File is corrupt
The file size is too large
The file contains slides that are all marked hidden
The file contains 3D model animation types that are not supported

The file contains slide numbers
The file contains transitions
The file contains Embedded Videos

Please note that ALL the usernamess in the attached form will be permanetly deleted and we require explicit cadmin confirmation prior to processing the spreadsheet.

User is unable to login
All assets associated with the account are reassigned or deleted. You will select a reassignment user id in the spreadsheet.
Deleting a user is a permanent decision and is not reversible by you or Brainshark.
After you have completed the Bulk User Permanent Delete form (see next tab), submit the form via email to [email protected] for processing.
Please note: All spreadsheet fields are required. Form can only be submitted by a Cadmin.

View ArticleBrainshark'sconversion process transforms PowerPoint slides to images. You are not able to extract the source file from a Brainshark presentation.
However, in our March 19, 2016 Product Release, we added a feature that now Auto-Saves your PPT file as an attachment to your content upon upload.
When you upload content to Brainshark, Brainshark creates a copy of this content in the Attachments tab. By default this attachment will not be available to viewers of the presentation, but you can click edit for the attachment and turn on Show link on attachments tab.
Note:If your decks are not saving as attachments to your Brainsharks, your Company Administrator may have disabled this feature in your site. If you do not know who your Company Administrator is and you would like to request this feature in your site, you can reach out to Brainshark Support ([email protected]) and request that they put you in touch with your Administrator.
View ArticleWhen the completion information to multiple courses and/or multiple students needs to be imported into Brainshark, Course Completion results can be imported in bulk. Course Completion results may be imported by learning authors, company administrators, or learning administrators.
To import Course Completion results:
Navigate to Brainshark Learning
Select Authoring > My Courses & Curriculums
Select the Upload button on the upper left-hand side of the page
Select Download Template, if necessary, to download theCourse Completion Results Import Template
Complete theCourse Completion Results Import Template. Template fields include:
CourseID this may be found on the My Courses & Curriculums page or in the URL when viewing course details

View ArticleThe Brainshark Learning platform has five (5) roles. These are in addition to the four (4) primary Brainshark roles. An individual can be assigned multiple roles, and every role does not need to be filled.
Student
A Student is an individual designated to take formal learning courses in Brainshark. They can print or save certificates of completion, and generate a report on their transcript. A Student does not have access to any other reports. Students may also self-enroll in courses that are available as open enrollment in the Course Catalog. They can run a Student Transcript Report.
Learning Author
A Learning (Course) Author may define/ create, archive, inactivate, and/or expire their Brainshark courses and curriculums. A Learning Author establishes completion criteria, enrolls students and groups, schedules and sends email reminders, and generates reports to track student enrollment, progress, and results. They can run reports on their content.
Group Manager
A Group Manager is an individual who requires the ability to track and report on the progress of their group or team members. Their reporting access is limited access to the Enrollment Report for Group Managers that shows completion and enrollment statuses for their group. Group Managers may request to receive system-generated emails with copies of their groups completion certificates.
When the Enhanced Group Management functionality is enabled in the site, Group Managers can also add or remove existing users/students/members from their groups. Group Managers can add new users/students/members to the Brainshark site and add them to their group if enabled by the Company Administrator. If the Group Management Deactivation feature enabled in the site, the Group Manager can also remove a user/student/member from their group and inactivate the members access to Brainshark.
Learning Manager
The Learning Manager has limited administrative permissions for managing Students and Groups. They can add and edit student profiles and assign Learning Authors and/or Learning Manager privileges. A Learning Manager can also create, edit, and remove groups and assign group membership, verify student course enrollments, enroll students in new courses, set students status complete, and generate Reports.
Learning Administrator
The Learning Administrator has the same privileges as the Learning Manager with the added ability to configure the sites overall learning settings. They are responsible for customizing the default email templates used for enrollments and reminders, defining the content types for any non-Brainshark courses, and managing the Learning Topics used in the Course Catalog. The Learning Administrator has access to all the learning content to students/groups and to send email invitations. Learning Administrators may change or reassign the author of an existing course, edit, inactivate or expire any course provided the Company Administrator has requested Brainshark Support Enable Learning Admins to Edit Courses setting. They also have full Student and Group Management privileges to create, edit, inactivate, and delete users and/or groups; and assign privileges to establish individuals as a Learning Author, Learning Manager and or Group Manager. For course access and creation, they assign permissions to individual Students or Groups to folders created by the sites Company Administrator.

Uploading SCORM Content
SCORM packages can only be uploaded in the Learningsection of Brainshark.
If allowed by your company, courses can be created from a SCORM file while on the Create a Course page by selectingUpload SCORM content.
While creating SCORM courses please keep in mind:
The SCORM file that is uploaded to Brainshark willcontain all completion criteria. To update the completion criteria you will need to go back to the platform you created the SCORM package in.
If you make updates to a SCORM package using a 3rd party platform you may need to re-upload it to Brainshark.
Reporting on 3rd party SCORM courses in Brainshark is limited.
Downloading SCORM Packages
SCORM files cannot be uploaded inMy Content or Home. They can only be downloaded from an existing presentation to be used in an outside Learning Management System (LMS).
The Basic and Enhanced SCORM packageswill provide a real-time connection to the Brainshark content so any updates made to the content will be reflected without having to download a new package for your learning management system (LMS). Student status and score will be shared with the LMS.In addition to updates sent in the Basic package, the Enhanced package will also share questions and responses.
All Brainshark reports are available to run for presentations downloaded as SCORM.
Please note: If you are looking to utilize Brainshark Reports we recommend adding a Guestbook to track viewer information.
View ArticleIf you are looking to Download SCORM from other user's content, you will need Folder Administrator permissions to the folder the content resides in, and your site must allow Folder Administrators to Edit and Delete content.
A Company Administrator can grant you Folder Permissions and request to enable the setting that will allow Folder Administratorsto Edit or Delete content.

To more effectively assign Company Administrators:
We recommend designating a Primary and a Secondary Company Administrator who will act as the key contacts regarding your Brainshark site.
We also recommend any new Company Administrators complete our certification curriculum found on our Help and Training site.
NOTE: For security purposes:
Brainshark does not have access to customer sites, so all administrative details must be handled by the company administrator, including creatingadditional company administrators.
Brainshark does not share customer contact information with those outside your company without written permission. For this reason, Support will notify the Primary Company Administrator when any customer inquiries require an administrator's response.
If you would like for Support to provide the administrator's contact information directly to your end users, simply email Support approving of this action and providing the email address and/or phone number for users to contact.
If there is to be a change in your primary company administrator, an existing administrator should first ensure that the new administrator has the correct permissions. Then, notify Brainshark support so the contact information can be updated.
NOTE: We recommend setting up a distribution email list for all of your administrators. That way if one individual is out of the office, another will be able to reply and assist your user.

View ArticleYou may add one custom default logo to your Brainshark site. Each site supports one main company logo, but any number of presentation level logos may be added. Company logos must be updated by someone with Company Administrative privileges. To upload your company's logo to your site:
Click your profile and select Administration
Under Manage Company, select Media Library
Click Browse to locate the logo image file
Click on the "Submit" button to save changes
NOTE: As an additional option, Brainshark offers the ability to "hotlink" to a website if a viewer clicks on your company logo. If you would like to utilize this function, please enter the valid URL for the site you would like to launch in the "Company Web Link" field prior to step 4.
NOTE:Your company logo must be a .gif or .jpg image that is 174 pixels wide by 56 pixels high and should be sized to fit within these dimensions to avoid any stretching or distortion.
NOTE: Logos may not be deleted, however, you may upload a new logo to replace the existing logo.

Select the check box to the left of the presentation titles
Select the Edit button, shown as the Pencil Icon on the top left-hand side of the page
Select Change Author
Locate and select the new author from the drop down list
Click Ok to change the author
NOTE: Regardless of which method you use to change the author, be sure that the new author has authoring permissions in the folder that contains the presentation, or move the presentation to a folder in which they have authoring permissions.
NOTE: If you are a Folder Administrator
You can only change the author of presentations that are housed in the folder(s) that you have administrative rights to

View ArticleBrainshark's folder structure allows Company Administrators the ability to restrict access or functionality to certain folders. User permissions include viewer, author, and administrator permissions, which may be granted by folder to each User. If a User is not granted permissions to a folder, they cannot access or view presentations located within that folder.To set a user's permissions:
Click on your Profile and select Administration
Under the Corporate Administration tools, select Manage Users
Use the search feature to find the user you are looking for
Click the ellipses under the Actions column on the right
Select Edit Permissions
Select the folder permission levels you would like to set for that user for each folder
Select Submit to save changes

To use the Bulk Upload Utility to create new or edit existing user profiles on your Brainshark site:
Download the Batch Upload Utility attached to this solution named BatchUploadUtility-2013.zip.
Extract the contents of the zip file into a directory on your computer.
Read the document in the Zip file named BatchUpload-Readme_v2.doc.
Configure the upload utility according to the instructions in step 3 (starts on page 8 of the document).
Enter your user data into the spreadsheet attached to this article namedBatch User Upload Spreadsheet Sample.csv. **Be sure to fill out the required fields for all rows (columns A-F and J; Columns M,N,O,AA,AB,AC,AD,AE,AF,AG,AH,AI,AJ, BJ,BK,BL,BM,BO,BP,BQ).
With the utility and the desired CSV file in the same directory on your local machine, run the utility per the instructions in the document in step 3 (starts on page 10).
When the upload job has finished, you will receive an email detailing the results. The job could finish in less than 1 hour or it may take several hours depending on the time of day and the total number of user profiles uploaded.
NOTE: The Batch Upload Utility can be used to batch upload user data only, and not the batch creation of groups. If new groups need to be batch uploaded, contact Brainshark Customer Support for details. Additionally, to make certain your Brainshark site is configured for the use of the Batch Upload Utility, contact Brainshark Customer Support to confirm.UPLOAD NOTES:
Leading zeroes will not upload into Brainshark. You can keep them on the excel spreadsheet but the csv file will eliminate them so they will not be uploaded
If you are attempting to use the -rg switch or the -ip switch please be sure you are using the latest BatchUploadUtility-2013
"receive view receipt" is an optional column at this time and whether it is included or not, makes no difference to the upload

View ArticleYou may display a different author's photo on any slide in your presentation. This feature must be enabled by your Company Administrator. Please refer to Enabling the author photo per slide feature. To display a different author's photo: 1. Click on Manage Slides from the Edit Presentation screen. 2. Click Edit beside the thumbnail image of the slide you want to apply the author photo to. 3. Click the radio button beside "Use specific author" and select the author.You may change the image and information on one slide or all the slides in the presentation.
Note:This ONLY changes the information that is displayed, it does not give the person selected access to the presentation as an author. If you want the new author to have permissions to edit the presentation, you must make them the author of the presentation by changing the author.For more information please see Managing your Slides.

To add a default question slide background template:

Enable the setting Use custom background image for question slides
Select Choose File to browse for the image to be uploaded
Press Submit

View ArticleIf you need to add a new folder to your Brainshark Site, you can do so in the Administration section of your account. A Company Administrator or a Folder Administrator can add folders to a Brainshark site.
To add a new folder:
Navigate to Administration
Select Manage Folders
From the left-hand menu, select Add Folder
On the Folder Properties page, enter the properties of the new folder
Select the parent folder to contain the new folder
Enter the folder name
Enter the folder description
Choose the folder security settings
Click Continue
On the permissions page, assign Viewer, Author, and/or Administration permissions to the site users
To set permissions for either a group or individual users, select the Search drop-down menu and choose from the options provided
Select Submit at the bottom of the page

NOTE: Folders cannot be moved once they have been added.
NOTE:Company Administrators may add folders at any level. Folder Administrators may only add sub folders to the folders that they have Folder Administration permissions to.

View ArticleYour content authors may want to display a photo of the author or presenter to viewers for when they are viewing a presentation. As a company administrator, you can enable the use of Image Library for authors to use. To enable the Image Library, both the settings Author Per Slideand Image Branding will need to be enabled.
To enable the setting Author Per Slide:
Navigate to Administration
Select Manage Company > Presentation Settings> General Properties
Next to the setting Author Per Slide, select Yes
Select Submit
To enable the setting Image Branding:
Navigate to Administration
Select Manage Company> Presentation Settings > Viewer Options
Next to the setting Image Branding, select Yes to 'Allow authors to override Author photo'
Select Submit
NOTE: The Image Library, when enabled, will be available for use by all authors of your Brainshark site.

View ArticleA Company Administrator has the ability to permanently delete a user. Permanent deletion is an extra step for situations where the organization also needs to remove the user's personal information. Once the user has been permanently deleted, the account is unrecoverable.
How to Permanently Delete a User:
1. Go to Manage Deleted Users page
contact Support.
2. From the Actions menu, select 'Permanently Delete'
3. Change the reason for deletion, if needed, and click Submit

View ArticleA Company Administrator or a Learning Administrator has the ability to delete a user. Typically a user is deleted if they are unlikely to use Brainshark in the future, but the organization wants to maintain records of the user's personal information. The user may be restored by a Company Administrator if needed.
How to Delete a User:
1.Go to the Manager Users page
contact Support.
2. From the Actions menu, select 'Delete User'
3. If user is assigned as manager, change or delete assignment
4. If user has created items, delete all or reassign all to a Company Admin
5. Confirm deletion by click Submit

View ArticleCompany Admins, Learning Admins and Learning Managers have the ability to inactive a user. Inactivating a user is a quick method to prevent someone from logging in without having to reassign or delete content they created.
To Inactive a User:
1. Go to the Manage Users page

3. Uncheck 'User's account is active (the user can login)' and click Submit.

View ArticleReplace PowerPoint slides:
When you just need to replace your current slide images with new or updated slide images, you will want to use the Replace PowerPoint Slides feature from the Things You Can Do menu. This feature will allow you to replace the slide image but maintain any recordings or animation timings set for the slide.
In order to replace your PowerPoint slides with new PowerPoint slide files:
Edit your presentation.
Choose Replace PowerPoint Slides from the Things You Can Do menu.
Save the new slides that will be replacing slides in the presentation as theirown separatePowerPoint files. This is important, as the number of slides in the replacement file will replace that many slides in the presentation. Note: if replacing the entire deck with a new deck, this step is not necessary.
Browse for the replacement file.
Choose Replace starting at and designate the slide number that corresponds to the slide that needs to be replaced. If you are replacing the entire deck, choose Replace starting at slide 1. Again, it is important that the number of slides in the replacement file adequately reflects the number of slides to be replaced. Therefore, for example, if you have 3 slides in your replacement deck and you choose to replace starting at slide 7, then slides 7, 8, and 9 will all be replaced.
If you simply need to add slides to your slide deck, choose append to existing slides. This will cause any slides in the new file to show up at the end of your existing slides.
Hit Submit. Once the files have finished processing, you will be automatically directed to the Record Audio page. If audio has already been recorded to the presentation, select the option to Skip generating audio in order to be taken back to the Manage Slides page. Otherwise, proceed with recording audio to your new slides.
Note: Remember to make a copy of your original presentation prior to making any changes.

View ArticleIssue:You have viewers that speak different languages and need the Brainshark player to match the language used for the slides and narration of that presentation.
Solution:
Option 1: To ensure that the Brainshark player displays in a specific language, add the language parameter to the end of the Brainshark URL prior to sending it out.
Review this document for the list of supported languages and steps for adding a parameter to your URL.
Option 2: If no language parameter is specified, the Brainshark player will honor the default language setting in the viewer's browser (as long as it is a supported language ). To change the default language setting in your browser follow the steps below

Access "Internet Options" from the tools menu in the browser or via the computers control panel
Navigate to the "General" tab
Click the "Languages" button at the bottom
From there you can add or removethe browser languages
Mozilla Firefox
Click the "Tools" menu in browser
Select "Options"
Scroll to the Language and Appearance section
Select the "choose" button in language section
From there you can add or remove the browser languages
Google Chrome
Click the thee dots in the top right hand corner of the window
Select "Settings" from the drop-down menu
In the "Search Settings" search bar in the top right, search "Language"

In order to do so, you must use the YouTube embed link. Once you have the proper link, there are a few options for the syntax of URL that will utilize the full Brainshark player real estate. Below are a couple of examples of how you would want to construct the URL.
Finding the YouTube Embed Link:
Select "Share" located below the YouTube video on Youtube.com
You will see the options to Share, Embed, or Email
Click "Embed"
Copy the URL linkthat is after "src=" and before "frameborder"
It should look similar to https://www.youtube.com/embed/SHogg7pJI_M
When logged into Brainshark, edit the desired presentation
Select Add slides from the Things you can do panel followed by Add URL slide
Copy and paste the URL (If you copied the URL with https:// then remove the pre-populated https:// from the Add slide text box)
Select Save.
