  • Overview

    The Clever browser extension is required for Saved Passwords applications to work properly. Single sign-on is available for many applications on Clever without a browser extension, but for a subset of applications, a browser extension is required. Currently, we support Chrome, Edge, and Firefox.

    Students can log into the Clever Portal through the same login page as teachers, at your district's Clever login page. Students and teachers can also navigate to clever.com/login and search for their school.

    If your student is having trouble logging into the Clever Portal, their teacher can help them by either generating a login backup code, or by resetting the student's password.

    How do I generate a login backup code for a student?

    A login backup code will allow a student to access their Clever Portal without knowing their password. There are two ways to do this:

    From your Clever Portal:

    1. On the right side of your Clever Portal, click the 'Help a Student'button:

    2. Select the student you wish to help from the dropdown menu:

    3. You will see a seven-digit backup code that you can pass along securely to your student. This code will expire in 20 minutes. Learn how a student can use this backup code to access Clever below!

    From your Teacher Page in the Clever Portal:

    1. Click on the Teacher Page that is shared with the student who needs help:

    2. On the left side of the page, select the student's name and click'Backup login code.'

    3. You will see a six-digit backup code. Write this code down and pass it along securely to your student. The code will expire in 20 minutes.

    How does a student use a backup code to log into Clever?

    Once a student has their login backup code, they can go to your district's Clever Portal login page and click the 'Get help signing in!' link, then click 'Log in with a Backup Code'.

    The student can enter their login backup code on the next screen, and click 'Log in'. This will log them into their Clever account!

    If the student is logging in with a Badge and a PIN and isgetting an "Invalid PIN" error message as shown below, the student can also log in using the backup code.

    Once the student is logged into their Clever Portal, they can reset their 6-digit PIN by clickingon their name in the top-right corner, and clicking 'Reset your Badge PIN'.

    How do I reset a student's password?

    If your student is using the 'Log in with Clever' button shown below, then you may be able to reset your own students’ passwords through the following steps:

    1. Click on the Teacher Page that is shared with the student who needs help:

    2.On the left side of the page, select the student's name and click'Reset student password.'

    3. You will see a window where you can set a new Clever password for the selected student:

    Please note: not all districts allow teachers to reset student passwords. If you do not see the option to reset your password, or if the above steps do not resolve the issue,please reach out to your district administrator for help with your student's Clever username and password.

    Third-party identity providers:If your student is using the 'Log in with Google', 'Log in with Active Directory', or 'Log in with LDAPS' button, you will not be able to reset your student’s password. This is because Clever does not have access to actual student passwords through third-party login methods. To resolve student login issues through Google, Active Directory, or LDAPS,please reach out to your district administrator for help with your student's Clever username and password.

    If a student is using Google, Active Directory, or LDAPS and needs to log into Clever immediately, you can assist by generating a one-time backup code for the student - !

    Long-Term Resolution

    If a studentdoes not remember their password for Clever, we will not be able to provide their password. Please reach out to the technology help deskat your school or district for help with recovering your student's Clever account credentials. You can also submit a ticket with Clever Support through your Portal following these steps:

    Here are some steps you can take if your student is having trouble with a specific application in the Clever Portal:

    My student is missing an application in the Clever Portal

    If your student is missing an application from your Clever Portal, please reach out to your district's support contact. Your district administrator manages which teachers and students can access each learning app through Clever, so they will need to add the application to your student's Portal.

    My student gets an error when clicking on an application in the Clever Portal

    If your student clicks on an application in the Clever Portal and receives an error on the application's page, please reach out to the application's support team for help.

    Clever Tip:If your student is seeing an error at a web URL that isnot a Clever address, it's likely that the application's team is best equipped to help fix the issue. Please reach out to the application's support team to investigate further!

    Here are examples of common errors you might see for specific applications:

    A Clever page asks my student for their application username and password

    If a Clever page asks your student to enter their username and password for an application, have your student enter the correct login information for that application, and click 'Save Login'. If your student's device has the Clever browser extension downloaded, Clever will save this information and automatically log the student in next time they click the icon from the Portal!

    If your student clicks on an application and sees the page below, this means we were not able to log your student in with the username and password they provided. Please have them enter their updated username and password for the application, and click 'Update & Log in'.

    If your student is still having trouble, please confirm that the username and password they've entered are correct to log into their account directly on the application's page (i.e. at schoology.com). If the student can successfully access the app directly through their website, but not through Clever, please reach out to Clever Support for help!

    My student is having trouble inside an application

    After a user clicks on an application from the Clever Portal, their experience within the application product is controlled from the application's end. If you or your student are running into an issue within the application,please contact the application's support team for help.     What are Clever Badges?

    Clever’ssingle sign-on (SSO) allows students and teachers to safely access educational applications with a single username and password. With Clever Badges, students can simply hold upa physical Badge to the computer's webcam instead of typing in credentials!

    The PDF format matches the Avery label template for 2” square Avery labels. Print out Badges and distribute them to your students!

    How doessingle sign-on (SSO) with Clever Badges work?

    Single sign-on (SSO)with Clever Badges allows students to use a physical badge to log in to Clever in lieu of typing in credentials to authenticate users.

    Here’s how the login flow works:

    Students navigate to clever.com/badges(or your district Clever Portal login URL > Clever Badge log In), and click 'Allow'in the browser prompt to give Clever access to their camera.

    For ease of use, we recommend setting clever.com/badges as the homepage for your students who use badges.

    The webcam will activate so the student can hold up their badge up to the camera. Once the sensors recognize the code, the screen border will flash green.

    Students will then be redirected to their Clever Portal.

    From there, students are able to access their Clever applications without needing to type in credentials.

    Please note:Because the QR codes are not stored, Clever will never have access to the student credentials used for logins.

    What’s required for setup?

    You will need the following items for the implementation and use of Badges:

    District Clever account set up with Secure Sync (Click here to register for an account!)

    Use of compatible devices/browsers:

    Chromebooks

    iOS devices (e.g. iPads, iPhones)

    Browsers : Chrome, Firefox, Safari, Edge and Internet Explorer (2013 or later)

    A printer to print the Badges

    Computers/devices with webcams (any kind of webcam will work, there aren't any requirements!)

    General setup instructions

    From the Badges Settings tab, click 'Edit' under the 'Access' box:

    Step 1:Specify students

    The first step is choosing which grades and students you would like to enable for Badges. The drop down menu will allow you to choose the grade levels. You will also choose whether to include students with IEPs or students who are ELL automatically.

    Step 2: School Selection

    All schools with students in selected grades: This option will make Badges available to all of the grade levels you selected in Step 1. Once this option is clicked, you can save and exit to generate your Badges! No need to move on to Step 3 unless you would like to limit the Badges to specific schools as well.

    Specific Schools: Choosing this option will allow you to enable Badges for specific schools in the next step. Select 'Next' to move to Step 3.

    Step 3: Add Schools

    Here you can choose the specific schools you would like to enable for Badges. This will work in conjunction with the student grade settings you selected in Step 1.

    Click 'Save and Exit' to generate your student Badges for the selected schools!

    Enabling Clever Badges

    To beginusing Badges, navigate to the Badges page of your Clever district dashboard.

    By default, Clever enables Badges for grades PK-3. From the Overview tab, you can choose to download Badges for individual schools, multiple schools, or all enabled schools. Additionally, district admins can choose to download all active Badges, or just Badges that are new. The generating new badges feature is great for students who join the classroom midyear!

    Depending on the size of the download, the Badges will either download to your computer immediately, or Clever will email you a link to a .zip file, which will have the following format:

    Clever Badges

    A list of folders with the names of each school

    A subfolder containing Badges by grade level containing the QR code and name of each student.

    A PDF of the grade level's Badges

    A grade level folder of PNG images of each student'sBadge.Badges are identified using "LastName-SIS_ID"

    A subfolder containing Badges, sorted by section containing the QR code and name of each student.

    Can Badges be reset?

    Yes, Clever Badges can be reset. If a student loses their Badge, they should immediately reach out to either their teacher or district administrator. A new Clever Badge will be issued, which can then be printed out, and the old Badge will be voided.

    For School Tech Leads: How do I manage Badges?

    How do I print Badges as a teacher ?

    If you'd like to create newBadges for all students at a school, click'Void' next to the school name in the Badges Overview tab. Once voided, you will be able to download new badges.

    Do Badges expire?

    Clever Badges will be voided automatically when your district un-pauses your sync for the summer and transitions into the new school year. If your district wishes to disable this feature, you can change this settingsunder Badges > Settings > Security.

    Please note: This setting is only visible while the district sync is paused.

    If your district chooses not to pause your sync for the summer, your Badges will remain intact until the next summer pause. More information on summer pauses can be found here !

    Can I enable Clever Badges for individualstudents?

    Yes!Badges can be enabled or disabled on a per-student basis from:

    Your Clever district dashboard > Support Tools > Data Browser by searching for and selecting the student.

    Depending on the student, you can create, download or void a badge.

    You can also select ' Pin Required ' from here.Please note, the student will set up their pin upon their first login to Clever using their badge.

    Once a badge has been generated, Clever will provide the option to download the badge in either PDF or PNG format.

    You can also generate or void a badge for a student by using the Clever search bar at the top of your district dashboard to search for and select the student, and then use the arrow icon to the far right of their profile page to generate or void a badge.

    Once the badge has been created, and the page refreshed, you will have additional badge options.

    Can teachers use Clever Badges to log in to Clever?

    No, Clever Badges only supports students at this time.

  • When setting up Clever Instant Login with Google, you will need to haveGoogle emails populated inthe email field within Clever. If your district does not store Google emails in your SIS, you can upload an additional CSV of emails for your users and the data will be merged within Clever.

    How to enable email uploads

    If the district uses Google as a login method for Clever, the district can enable email uploads by following these steps:

    Navigate to Portal > SSO Settings

    In the configuration for Google Authentication, click onEdit Settings

    On the pop-up screen, select "Google email addresses are NOT stored in my district'sSIS."

    Sync: Upload

    ClickNext

    On the next screen, check the box next to "I'll manually upload emails"

    Click Save

    Upload your files on the Sync > Upload page in Clever.

    If your district does not use Google as a login method for Clever but would like to be able to upload emails through a .CSV file, please contact our team and we will enable this feature for your district.

    How to format your email files

    In order to use this tool you will need to create a CSV file that contains two columns: student_id/teacher_id & email

    This file will need to contain a list of the email and the corresponding sis_ids for users. For Google districts, this file will be created using a combination of information from your SIS and your Google admin console.

    Teachers and students emails require separate uploads. As such, if you wish to upload both student and teacher emails, you will upload two files:

    student_emails.csv

    teacher_emails.csv

    How to upload your email files

    To upload user emails, navigate to your Sync: Upload page in the Clever Dashboard. Find the "Emails" section and select “UPLOAD STUDENT_EMAILS CSV” or “UPLOAD TEACHER_EMAILS CSV” as appropriate.

    Once you have selected theCSV file(s) from your local directory and the cloud status turns green, select “Upload” to upload user emails to Clever.

    How to update emails

    In order to update information after the initial upload you’ll be able re-upload the email files(s) with additional information, or you’ll be able to include emails in the SIS data feed for new users who are not listed in the additional file.

    How to view email upload errors

    To view errors for your email uploads, navigate to your page and select “student_emails_errors.csv” or “teacher_emails_errors.csv” on the right hand side.

    What are Clever Badges?

    Clever Badges are perfect for students who have trouble typing or remembering complex passwords - especially younger learners. Badges allow students to hold up a physical badge to their device's webcam to get logged in, instead of typing in usernames and passwords. Teachers get more time to teach, and students get more time to learn!

    If the administrators on your district's Clever account have enabled Badges there are several ways that you can manage Clever Badges as a teacher. You can print, regenerate, and void Badges for individual students or whole classes

    Pro Tip: Security

    Badges provide direct access to a student's Clever account and should be protected just like a password. Anyone who has access to a Badge can sign in as the student and access their accounts in both Clever and connected applications. Please protect the security of your students and do not share images of the QR code publicly on social media.

  • The Clever Portal URL is the web address teachers, staff, students and district admins will use to log in to Clever in order to access their learning applications. District Admins have the ability to update their district's single sign-on (SSO) Portal login URL to make it more user-friendly for users.

    To do this, navigate to your Clever district dashboard > Portal > Portal Settings page:

    Click on your districtshortname (the part after https://clever.com/in/)

    Edit the text to the new shortname you'd like to use (e.g. NorthSchoolDistrict, which would change your Portal URL to: https://clever.com/in/NorthSchoolDistrict )

    Click 'Update' to save your changes, and then share this URL with your users!

    What makes Badges for older students different?

    For best security practices for older students, you can now require a secure PIN for students above grade 2 to log into Clever in addition to their Badge. Students in grade 7 and above are required to use a PIN.

    Your students will navigate to clever.com/badges, hold their Badge up to the camera, and then be brought to the page in the screenshot below.

    Clever trusts Badges upon first login, meaning that students who have a PIN enabled will first hold their Badge up to the webcam at clever.com/badges and will then be asked to set up their PIN.

    Here your student will enter their new PIN twice and be signed into Clever! After setting this, your students will be able to log into Clever using their Badge and their PIN!

  • This guide is meant for people familiar with SAML and Active Directory who are trying to troubleshoot issues their users are seeing while usingsingle sign-on (SSO). If you're just getting started with ADFS and Clever,take a look at the article on Setting up single sign-on (SSO) with ADFS. To identify issues in yoursingle sign-on (SSO) Setup, view your single sign-on (SSO) Event Logs.

    Normally, when a user clicks "Log in with ADFS," Clever will send the user out to your AD or other SAML server where they will enter their username and password. Clever never sees this username and password, but your server will redirect the userback to Clever with a token confirming the user logged in successfully. Clever will then "match" the user in your AD or other SAML system with a user in Clever, and log them into their app.

    Unfortunately, in the real world errors do occur - here are the common ones that we identify, and how to resolve them:

    no_match:The unique identifier passed to us from the SAML server did not match any user in Clever. In essence, a user (let's call her "Susan") was successfully able to prove who she was to the district's identity provider, but when the identity provider came to tell Clever "Hey, can you log Susan in for me?", we responded "Sorry, we don't have a Susan here". The most common cause of this is a user trying to log in that is not yet synced to Clever, but it could also be that the field we match on, say student number or email address, is missing in the SIS upload for the user in question. We show the matches we tried to make in your single sign-on (SSO) Event Logs, so check there and then look up the corresponding information in yourSIS and/or Clever Data Browser to see what might be going on.

    no_attributes:This is pretty similar to "no_match" in that we couldn't find the user that tried to log in. In contrast to "no_match" though, "no_attributes" means that we didn't get any valueat allthat we could match on. For instance, sayyou arematching on email. Ifyour server sent us "[email protected]" and we couldn't find that user, we'd throw a "no_match". If your server didn't send us any attributes at all, or if joe didn't have an emailon the SAML server,then we won't get anything to match on, and we'll throw a "no_attributes". Check in their SAML server to see that the impacted user has all the right attributes, and also take a look atyour claims rules to make sure all yourclaims rules are set up andmap to valid attributes on yourserver.

    no_session_index: A somewhat misleading error message, but easy to solve.While technically correct, what this errorreally means is that youshouldcheck yourclaims rules and ensure thatthe "Name ID" attribute is set, as indicated in the Help Center docs.

    no_encrypted_assertion orsignature_check_failed: This error indicates thereis something wrong with how Clever and yourSAML server talk securely. This may be an issue with the certificate on yourserver. We recommend verifying your SSL certification installation using this tool.

    status_not_success: A fairly rare error (hopefully!), and indicates that the status code we received back from your AD or SAML server was not a "success" status code. Often this is a rate-limiting issue, but it can also indicate your server is misconfigured, network is down, or another server bug. We recommend checkingthat your AD or SAML server is operational and responding to authenticationrequests.

    unknown_error: Unfortunately you encountered an error that we had never seen before. This should also be very rare, and if you ever run into one of these, please let us know.

    What are Saved Passwords applications?

    Saved Passwords applications are icons in the Clever Portal that automatically log students and teachers into websites that do not currently have a formal integration with Clever. From a user's experience, these icons appear to be the same as other resources in the Portal.

    In order for a Saved Passwords application to automatically log users into a website, your district's users must already have existing accounts with the website. Your district will provide Clever with credentials for these accounts, then Clever's system securely saves this login information to help users automatically sign into the website from the Portal!

    Clever Support Clever Tip:Make sure the Clever browser extension is downloaded on your school's devices to ensure users have the best experience logging into these Saved Passwords applications!

    How does my district provide user credentials for Saved Passwords applications?

    Your district administrator manages the process of adding Saved Passwords applications to your Clever account. They also configure settings that determine how user credentials for the website are provided to Clever.

    If they have chosen to have users manually provide their credentials, you will see a prompt to enter login information the first time you click on the Saved Passwords application in the Clever Portal.

    Once you enter the correct login information for your account with this website, click 'Save Login'.Clever will save this information and automatically log you into the website next time you click the icon from the Portal!

    If you click on an application and see the page below, this means we were not able to log you into the website with the provided credentials. Please enter your updated username and password for the application, and click 'Update & Log in'.

    How do I reset my student's Saved Passwords credentials?

    If your students enter in the incorrect credentials for a Saved Passwords application the first time they log in, teachers can manually update these passwords from the Clever Portal! You will need to log into your Clever account, then follow these steps:

    1. Click 'Help a Student'on the right side of your Clever Portal:

    2. Search and select the student who needs their credentials updated:

    3. You will see a login backup code for the student to log into Clever. Under 'Did this solve your problem?', Click 'No':

    4. Select the application, then click 'Yes' when asked if your student can see the icon in their Clever Portal:

    5. From this screen, you can either update the student's credentials, or reset the student's credentials back to the default district credentials, if available:

    The student should now be automatically logged into the Saved Passwords application when clicking the icon in their Clever Portal!

    At this time, teachers cannot reset their own Saved Passwords credentials. Please reach out to if you need help doing this!

    What are co-teachers?

    Co-teachers are supplementary teachers assigned to sections in your SIS but are not considered the primary teacher. Clever's ability to syncco-teachers depends on your sync type, read on to find out more information!

    Please note:Some connected applications may not supportco-teachers at this time

    If you notice that co-teachers are missing from your connected application, first check your data in Clever. If co-teachersare missing in Clever, pleaseread the information below on how to add them to Clever.

    If co-teachers are syncing to your Clever account but missing from your connected application, please reach out to that application teamto learn how their system handles multiple teachers.

    Clever supports up to 10 co-teachers per section.

    Adding co-teachers in SFTP syncs

    The "Teacher_id" column in the sections.csv file indicates the primary teacher for that section. Multiple teachers are added to sections through the "Teacher_2_id","Teacher_3_id", and "Teacher_4_id" columns.

    Your sections.csv file may looksomething like this:

    Please note:Eachteacher_id must correspond to a record inthe teachers.csv file. Check out Clever's SFTP spec for more information on CSV formatting; page 13 outlines the multiple teacher_id fields. Once the multiple teacher_id fields are added to the sections.csv file, as well as the teachers.csv file, upload the updated files to Clever.

    Adding co-teachers inSIS-Managed Auto Syncs

    Please reach out to your SIS if you would like co-teachers added to your sync. Similar to the process for SFTP syncs, your SIS will need to add multiple teachers through the "Teacher_2_id","Teacher_3_id", and "Teacher_4_id" fields in the sections.csv sent to Clever.     Syncing co-teachers in Clever-Managed Auto Syncs

    To learn if your Auto Sync supports co-teachers, please go to the Clever-Managed Auto Sync page here and selectyour SIS page. TheAuto Sync's "Functionality" section at the top of thatpagewill indicate if the Auto Sync can supportco-teachers. Auto Syncs that support co-teachers will bring them into Clever automatically. For example:

    Manually adding existing teachers in Clever as co-teachers

    If your sync does not support the export of co-teachers, your district has the ability to manually add co-teachers to sections directly from a section's detail page.Sections can be easily accessed using the search bar at the top of your Clever dashboard.

    Please allow up to 24 hours for manually added co-teachers to be synced by connected applications. If you do not see co-teachers appear in the application, you can contact the application's support team to confirm they support co-teachers on their platform.

    Creating new custom teachers in Clever

    If you'd like to add a teacher who doesn't sync from the SIS, you're now able to do this by choosing to "create a teacher" in the modal.

    You'll enter basic demographic information about the user in the subsequent screen in order to create this user:

    The Clever Library is a place for teachers to discover, learn about, and adopt new resources for their classroom. Resources in the Library can be added to a teacher’s Teacher Page for easy access by students and teachers.

    How do I find resources in the Clever Library?

    The Clever Library is easily accessed from your existing Clever Portal. Here’s how to use it:

    Log in to your Clever Portal

    Click on Library in the navigation at the top of the page

    Browse around for resources you might want to use with your classes.

    How do I add resources from the Library?

    Adding resources from the Library is quick and easy! When you find a resource you want to try, click the blue button in the top right corner:

    Installing an application will not only add it to your teacher page, it will also automatically set up single-sign on accounts for you and your students no need to hand enter student information or print out password cards!

    Many applications require data from your Clever account in order to set up single sign-on; when installing an resource, Clever will verify that you want to share this data.

    This is similar to the screen you might see when you log in to a website with a Google or Microsoft account.

    Before installing a new resource, please confirm that the application follows your district’s policies regarding data security and privacy.

    Note: some resources in the Library don’t support Single Sign-On or automatic account creation. For those resources, you’ll see a different button, and a notice that you’ll need to set up accounts on your own. When you add one of these to your Teacher Page, it will be a simple link, and won’t provide single sign-on for you or your students.

    What do students see?

    Students can’t browse resources in the Clever Library, but they can see any resources you add for them onto your Teacher Page!

    How do I log into Clever as a student?

    To log into the Clever Portal, go to your district’s Clever login page. If you don't know your district's Clever login page, you can go to clever.com/login and look for your school. If you cannot find your school, please ask your teacher where you should go to log into Clever.

    Log in using your districtusername and password. Your username and password are set up by your school district. They may be your student number, ID, or email address. For specific instructions on usingClever Passwords, Google, or Active Directory, keep on reading!

    Logging into Clever with Clever Passwords

    If you are using the 'Log in with Clever' button, enter your district username and password.Your username and password are set up by your school district. They may be your student number, ID, or email address.

    If you see the error ('Invalid username or password'), this means that the username and/or password you have entered are not correct for your Clever account.

    You can click the 'Get help signing in!'link to reset your password using the email linked to your Clever account. Please note: not all districts allow students to reset their own password. If you do not see the option to reset your password, or if this doesn't resolve the issue, please reach out to your classroom teacher or principal for help with your Clever username and password.

    Logging into Clever with Google

    If you are using the 'Log in with Google' button, you will be redirected to sign in to the Google email linked to your Clever account (your school email). Please note: using your personal Google email will not sign you into Clever.

    If you see the error message ('Wrong password. Try again or click Forgot password to reset it'), this means that the password you entered for your Google email is incorrect. You will need to enter the correct password for your Google account, or use the 'Forgot password?' link to reset the password for your Google account.

    Please note: not all districts allow students to reset their own password. If you do not see the option to reset your password, or if this doesn't resolve the issue, please reach out to your classroom teacher or principal for help with your Google email and password.

    If you see the following error message ('Uh oh! We were not able to authenticate using Google email: [email protected]' ),this means that the Google email you signed into is not the email that is linked to your Clever account. Please make sure you are using your school Google email account.

    If you are still having trouble when using your school Google account, please ask your teacher or principal to let you know the correct school email that you should use to log into Clever.If they are still seeing an issue, they can contact Clever Support.

    Logging into Clever with Active Directory

    If you are using the 'Log in with Active Directory' button, you will be redirected to sign into your school account through Active Directory Federation Services. The username and password for ADFS are managed by your district administration.

    If you see a message similar to 'Incorrect user ID or password', you will need to reach out to your teacher or principal for help with the correct login information for your account.

    Using a Backup Code to log in to Clever

    If you do not know your login information for Clever, your teacher can give you a Backup Code to log into your Clever Portal. To do this, click the 'Get help signing in!' link from the Clever login page, then click 'Students: Log in with a Backup Code'. Then, you can enter the Backup Code you get from your teacher and click 'Log In' to access your Clever Portal.

    We heard from teachers that reviews are extremely valuable when choosing and using new applications in the classroom. In addition to leaving a rating, teachers often provide helpful comments for other teachers to consider when installing your application.

    You can help increase the number of reviews on your app detail page by asking teachers who have installed your application to leave a review in Clever Library.

    How teachers can leave reviews for your application

    Teachers have the ability to leave reviews about your application in Clever Library. They can leave comments and rate apps from one to five stars based on whether the app was engaging, educational, and easy to use.Having reviews on your detail page can influence a teacher’s decision to install your application. Only Clever users can leave reviews for your application in Clever Library.

    A verified teacher review means that the teacher has installed your application in Clever Library and logged into your application at least once before leaving a review.

    FTC guidelines

    Teachers can leave reviews in two ways:

    Log into their Clever Portal and navigate to the application’s detail page in Clever Library.

    Hover over the application icon on their Teacher Page to submit a rating.

    You can also request reviews from teachers who have installed your application using the custom URL our team has provided in an email. If you haven't received an email containing a URL to request teacher reviews for your application, you can contact the Clever Library Team.

    Use this custom URL to request teacher reviews via a personalized email.

    Note: You can identify teachers who installed your application in the Clever Library via your API.

    Read teacher reviews for your application

    Using your demo credentials to log into Clever Library, you can click on your application’s detail page to view all reviews. A PDF with instructions and demo credentials was attached to the congratulatory email sent when your application went live.

    Note: Clever is working on an improved system for notifying you when your application receives reviews.

    You can also view all teacher reviews for your application from your Clever dashboard, by navigating to the Library via the left hand menu and selecting 'Teacher reviews’.

    Reviews will be sorted based on the date they were submitted.

    How to reply to teacher reviews

    Applications can reply to each individual review directly in their Clever Library dashboard by clicking on the ‘Respond’ button next to the review.

    Teachers will see a notification in their Clever Portal Announcements that their review has a response.

    Your response will be visible to all visitors on your Application Detail Page.

    After leaving your response, you can return to your dashboard any time to edit or delete your response.

    To see your response, just click Read all reviews in the top right hand corner of your Reviews dashboard. You’ll be directed to your app detail page, which includes all live reviews and any of your responses.

    Teacher review best practices and guidelines

    Reviews are only valuable when teachers perceive them as honest and unbiased. Real reviews are important to us and Clever enforces this by making sure teachers have used the product before they leave a review. In order to preserve the authenticity of reviews for your application in Clever Library, please follow these best practices and guidelines.

    Best practices

    Use value-based messaging when asking for reviews. When sending emails asking for reviews, include some tips, ideas or guidance on how to get the most out of using your application. View sample messaging.

    Optimize the timing of when you ask teachers for reviews. Consider timing your ask once the teacher has used your product independently or with students, within a certain number of days after logging into your application, or during a time when they’re likely to engage with your product.

    Send one review request per teacher. If a teacher doesn’t respond to your request for a review, don’t send them a second request.

    Guidelines

    Be open to all types of feedback. Teachers trust the feedback of other teachers, so having a range of reviews on your application gives you an opportunity to establish trust and authenticity with your users, in addition to receiving valuable product feedback.

    Per, don’t offer money or prizes in exchange for reviews. If you offer an incentive for teachers to leave reviews, you must instruct the reviewer to indicate that this was a incentivized endorsement.

  • Every now and then you may have users who have trouble logging into Saved Passwords applications. Here aresome tips for troubleshooting these issues which will make the process as painless as possible.

    If yourcurrent district settings for the Saved Passwords application allow your users to manually enter their credentials the very first time they log into the app through Clever, Clever will save those credentials for the future providing a single sign-on (SSO) experience for users.

    The challenge is that sometimes users will enter the incorrect credentials the first time around, and those are what gets saved to Clever. Thegreat news is the student's teacher or a district admin can update those credentials in Clever!

    In the vast majority of cases, if users are unable to log into a Saved Passwords application, they'll see a message like the one below:

    If this occurs, please follow these steps:

    Go directly to the application's website login page, andconfirm if the user's credentials are successful.

    If the credentials are not successful, please contact the application provider directly to correct the error.

    If credentials are successful, attempt to enter those same credentials again in the screen shown above and then select 'Update & Log in'. Then, confirm the credentials work by accessing the application again through theClever Portal.

    If for some reason, the 'Update & Log in' option in the screenshot above did not work with resetting the user's credentials, the student's teacher or a district admin can assist by following these steps:

    The teacher will log into Clever and follow the steps below. District admins can utilize the 'Access Portal As' feature from their district dashboard to access the teacher's account in order to do the following:

    Click on the "Help a Student" option.

    Locate the student who needs their credentials updated.

    The prompt will ask if you want to update the student's Clever login or generate a back-up code. Click "No" where it asks if this solved the problem.

    Locate the Saved Passwords application.

    When asked if the student has the app icon in their portal, say 'Yes'.

    Then, update the Saved Passwords credentials.

    Finally, have the student test their login to the app to see if it works correctly (or district admins can 'Access Portal As' the student to test it for them).

    District admins also have the ability to reset passwords for Saved Passwords apps through a bulk upload in the Clever district dashboard.

    But my issue doesn't look like that!

    If the above doesn't fix the issue or you're experiencing a completely different problem, please try the following steps:

    Check the version of the Clever browserextension you're using at chrome://extensions. If there is a more recent version of the extension, download it.

    Uploading files via Web Upload tool

    You can find the Web Upload tool from your district dashboard > Sync > Upload tab. From there you can drag and drop each file or click the cloudto browse and attach each CSV file (Note: If this is not your first sync, you do not need to upload the entire set of files).

    Click ‘Uploads’ and wait until the top of the page displays “Your files have been uploaded” before leaving the page.

    Uploading files via FTP client

    Another option for sending files to Clever is using the Secure File Transfer Protocol, also known as SSH File Transfer Protocol. The following outlines the process for manually uploading files through an FTP client. Many districts write a script to upload files via SFTP automatically. At this time Clever does not provide support for setting up these automations.

    There are many FTP clients available. When you choose an FTP client, confirm that it will support SFTP -- not all clients will. SFTP is not the same as FTP over SSH, FTP over SSL, FTPS or Simple File Transfer Protocol.

    Each client's interface (e.g. Transmit, FileZilla or WinSCP ) will look a little different, but each will involve similar steps. The following instructions show Filezilla's interface:

    Download and install an FTP client program that supports SFTP

    Log into your Clever dashboard and locate your SFTP credentials under Sync Settings in the Dashboard (see below for more information)

    Open the FTP client program and enter your SFTP credentials ("host" is the SFTP Upload URL") and click 'Quickconnect'; Note: some clients will require a modified URL configuration such as simply sftp.clever.com, please reference their help documentation.

    Once the link between your 'Local Site' and 'Remote Site' is established, you should see the files already stored in the host site appear on the right side of the window.

    Browse the 'Local Site' (your computer's hard drive, on the left side of the window) until you find all five of the csv files you would like to upload. Drag them from the 'Local Site' to the 'Remote Site' into the folder with your district's username. (Please note: our system will only process files that adhere to our naming protocol schools.csv, teachers.csv, students.csv, enrollments.csv, sections.csv)

    If prompted, allow the program to overwrite preexisting data in the host site with the incoming data. (You should only have 5 files in your 'Remote Site' at one time).

    Clever will begin processing your files five minutes after you finish making changes to the content your SFTP box.

    Where can I find my SFTP credentials?

    You can find these credentials in your Clever dashboard under Sync Settings. Please note that we will never send or request your SFTP password over email or on the phone.

    Please follow the instructions below to retrieve your SFTP username and password:

    Log into your Clever account at http://schools.clever.com. You'll need to use the email and password that you created when you signed up for your Clever account.

    Navigate to the Sync Settings page from the leftsidebar,

    You'll see the SFTP username and password. Note: you will need to hover over the dots to reveal your password. We suggest copy/pasting the password into your FTP client to prevent any typos.

    You cannot change your SFTP username or password. Should you have any issues uploading files via SFTP, please review our SFTP Sync Troubleshooting section.

    What are Clever’s SFTP host keys?

    Every time your district's SFTP client connects to Clever, it will check our SFTP server's Host Key to ensure your data is being safely transmitted to the correct server.

    Searching District Data

    From the district's profile in your Clever dashboard, you can use the search bar at the top of the page to find any record that the district is currently sharing with your application:

    Using the Data Browser

    Another way to view the district's data in Clever is by clicking theData Browser in the left-hand sidebar. Here, you can browse the district's data by record type, and use the'Add Filter' buttonto narrow down your results. You can also click on each record to view a full list of the fields that the district is sharing for the record.

    Downloading data shared by a district

    From the Data Browser, you can also download the data the district has shared with your application. This feature can come in handy if your team would like to manipulate the district's data, or perform a manual matching of existing accounts for your application.

    To use this feature, navigate to the record type you'd like to download information for (e.g.schools, students, teachers, sections, etc.), and click the 'Download' button:

    The export will include all data that the district has shared for the record type you've selected. Any filters applied to view data in the Data Browser tab will not be reflected in the final data export.

    After clicking the 'Download' button, a warning will appear to notify you that the CSV file being exported may contain PII. Please keep in mind that files containing sensitive student information must be treated carefully.

    For ourInfinite Campus Auto Sync, we do not pull these fields by default. We recommend reaching out to Clever Support to get that set up.

    Please reach out to your SIS vendor and let them know that you would like to have Term Name, Term Start, and Term End dates added to your sync.

    Student Contacts

    Sangha recommends that you include any primary contacts available in your SIS for each student in your Clever sync. Primary contacts will need to have either an email address or a phone number in Clever, and both is preferred. Please do not sync emergency contacts or non-primary contacts to Clever. Syncing student contacts to Clever varies greatly depending on your sync type and SIS, so please check out this Help Center article, or reach out to Clever Support if you have any questions.

    Staff

    Sangha requires one Staff. For Infinite Campus API and Skyward API syncs, staff are added to Clever by default, but for every other sync type and SIS, staff will need to be added to Clever through a manual upload. With the CSV file, staff do not need to be in your SIS to be synced with Clever. For more information on adding staff, click here !

    Start by going into your District Dashboard and navigating to the Data Browser

    Verify that the overall counts of teachers, sections, students, student contacts match what is in your SIS, and what should be in Clever

    Verify School and District admins in the Teams page match what is in your SIS, and what should be in Clever

    Spot check Student contacts for a few students using the Data Browser in Clever. Please verify that the emails and phone numbers match the data in your SIS, that all primary guardians for the student are listed, and that there aren’t any non-primary or emergency contacts included.

    Depending on your sync type, Clever either pulls data from your SIS, or data is submitted to Clever from your SIS. That data is then made available to Summit Learning to sync to their system. There is a lag time between these processes, as the sync with Clever and the sync with Summit may not happen at the same time. If you do not see updated data within 48 hours after making a change, please contact Clever Support.

    Why is my student or teacher missing from Summit Learning?

    Please check to see if this user meets the following requirements before reaching out to Summit Learning:

    How do semester-long courses work?

    By default, courses in the Summit Learning Platform last the entire school year. If you need to create a semester long course, email [email protected] with a link to the course and the course’s start and end dates.

    If you update or create new sections in your SIS mid-year, they will appear in the Summit Learning Platform, and you can link these sections to your semester-long course.

    Troubleshooting for the Summit Learning Platform

    Managing Syncing

    Why am I notseeing a teacher/student/section in the Summit Learning Platform?

    This teacher/student/section is most likely not in Clever. Check your Clever account dashboard to confirm that the teacher/student/section is there. If the teacher/student/section isn’t there, you’ll have to update your SIS with this information.

    I made changes to my SIS. What else do I need to do?

    You need to sync your SIS with Clever again, which will then allow the platform to sync with Clever. The platformsyncs with Clever each night, so it can take up to a day for your SIS changes to appear in the platform.

    Managing Teacher Accounts in the Summit Learning Platform and in Clever

    Why do teachers in the platform not have any students?

    Teacher email addresses in the platformneed to match their email addresses in Clever. Check that each teacher in the platformhas an email address that matches their email address listed in Clever.

    What happens if

    I created a teacher account in the platform, but a teacher exists with the same email address in Clever?The platformwill match the teacher’s platformaccount with the Clever account.

    I created a teacher account in the platform, but a teacher exists with a different email address in Clever?You’ll need to match the teacher’s platformaccount with the Clever account when you sync teachers. Otherwise, this teacher will have two accounts in the platform.

    Why am I not seeing my course in the platform?

    Make sure that the course you plan on using in the platformis matched with a section in your SIS.

    Make sure that the course you plan on using in the platformis matched with a section in your SIS. You'll also want to make sure that you've received, and recorded the receipt of, parental consent forms. Keep in mind that studentscan't log in until their parental consent form boxes are checked off.

    I think there might be a mistake with the students and/or sections I'm trying to import. What should I do?

    If you import any students or sections with incorrect or missing information, it’s okay! Update the incorrect or missing information in your SIS, then make sure your SIS syncs with Clever again.

    Why do I need to include course numbers?

    The platformneeds course numbers in order to match courses in the platformto sections in your SIS. We recommend that all sections of a course have the same course number but a different section number in order to make the process of matching courses easier and more efficient.

    If you already have Hapara up and running for the school year when you request Hapara through Clever,your current classes will need to be archived or deleted before the new Clever sync. This can be done over a weekend or holiday.

    After your initial integration, your class and student data will automatically sync to Hapara nightly.

    Required Fields

    In order for Hapara to integrate your data, yourTeacher Google IDsandStudent Google IDs must be synced with Clever.These Google IDs take the form of emails, and should be synced to the teacher or student email fields in Clever. There are a couple of ways you can sync this data to Clever:

    Can teachers and students be assigned to multiple school locations?

    Yes, EVERFI does allow teachers and students to be assigned to multiple school locations. However, all schools must be shared in order for the sync to work accurately.

    Can multiple teachers/staff be assigned to the same course/section?

    EVERFI does not currently support multiple teachers or staff to be assigned to the same course/section.

    How are building administrators provided access to the system and to building level location?

    EVERFI does not currently support an admin sync with Clever. If the building administrators would like to see data from their school, please reach out to the EVERFI team who can provide them more information.

    Non-classroom Staff at the District: Principals, coaches, etc. need to be set up with an Admin account so that they can access the Mangahigh district data dashboard. They will be able to see data for schools, classes, and students.

    Teachers: The best way to share data with Mangahigh is to “ Share by Rules ” and only share either math classes, or math teachers’ classes.

    Both of these rules will be set up to share based on the information associated with the sections.

    Make sure that your teachers know to log in to Mangahigh through Clever! You can notify your teachers directly through Clever by following these steps:

    On the overview page, you will see the option to either notify your teachers via their email in Clever, or you can download the login instructions directly and distribute them

    Notifying your teachers right away will lead to a much more successful rollout!

    I only want one school shared with Mangahigh. Why are there more showing up when I log in?

    Youwill want to check your sharing permissions to resolve this issue. Typically, we see this error when a specific teacher who works at multiple is shared with the application. All school sites associated with any of your shared teachers will be shared with Mangahigh. You will need to reach out to our Support team to help set up a sharing rule that works best for your district!

    Why is my student or teacher missing from Mangahigh?

    Data is synced between Clever and Mangahigh every night. Changes you make in your SIS data may not appear in Mangahigh until the following day.

    Please check to see if this user meets the following requirements before reaching out to Mangahigh:

    In your Clever data

    Also, make sure that the student or teacher doesn’t have any dual enrollments.

    DreamBox recommends that you only share schools, classrooms, educators, and students who should have access to DreamBox. At this time, DreamBox can only sync sections with the following subjects: Homeroom/Advisory, Math, Technology and Other.

    It will also be necessary to remove all shared sections that are not relevant to the purchased content. The simplest way to do so is to “Share by Rules” in Clever (you can find more info about “Share by Rules” here )

    If your district is already on Clever, please reach out to your LearnZillion account manager to let them know you’d like to connect with them on Clever:

    If your district is not sure who your LearnZillion representative is, then you can email [email protected] for assistance.

    Once in contact, LearnZillion will send an invitation to connect with your district via Clever.

    To approve the invitation, a district administrator with the ‘Clever Admin’ role will need to log into their Clever Dashboard to review and accept the invite.

    LearnZillion supports rostering and single sign-on (SSO) through Clever for student, teacher, and staff user types.

    To help curb user login issues, LearnZillion recommends customizing the Clever Portal login page to include password hints and a district tech support contact to make it easier for SSO to be possible. More information on how to do this can be found here: How do I set up Single Sign-On?

    Users will be able to utilize Clever SSO for logins, as well as continue to log in manually on the LearnZillion site. Please refer to the instructions sent directly by your LearnZillion representative for information on how to designate your LearnZillion account password for manual logins.

    Recommended Sharing Rules

    LearnZillion recommends creating a custom share by students rule for only the specific grade levels and school sites that have purchased licenses for LearnZillion at your district.

    Data Rules

    All teachers must have email addresses associated with their accounts. Users with no email address will not get synced over to LearnZillion.

    The Clever "credentials.district_username" and/or the "student_number" field should be shared with the LearnZillion application.

    If the "credentials.district_username" field is shared with LearnZillion, then this field will be used to generate the student usernames on LearnZillion.

    If the "student_number" field is shared with LearnZillion and the "credentials.district_username" is NOT shared, then the "student_number” field will be used to generate student usernames on LearnZillion.

    If both "credentials.district_username" and the "student_number" fields are shared with LearnZillion, then LearnZillion will default to using the "credentials.district_username" for generating student usernames on LearnZillion.

    LearnZillion does not support multiple Clever accounts associated with a single email address. These users will not get synced over to LearnZillion and users will not be able to log into LearnZillion. This includes teachers with multiple teacher accounts in Clever, as well as teachers who also have staff accounts in Clever.

    Khan Academy offers practice exercises, instructional videos, and a personalized learning dashboard that empower learners to study dozens of subjects at their own pace in and outside of the classroom. Clever is proud to partner with Khan Academy to bring this resource to over 12,000 schools.

    One stumbling block we see many users encounter is logging in to Khan Academy through Clever for the first time. For most Instant Login applications, users click on the application icon in the Clever Portal and are automatically logged into their user account in the application. This process is slightly different for Khan Academy.

    Khan Academy "rosters on demand" which means that accounts are not automatically provisioned for users shared through Clever. Instead, when a user attempts to use Instant Login forKhan Academy for the first time, they will be prompted to either connect to a pre-existing account or create a new one.

    After the user has completed this simple setup process, in the future the user will be logged into their Khan Academy account automatically when logging inthrough Clever!

    Advanced Troubleshooting

    All Lexia Support team members have access to a Clever data dashboard in order to assist districts in resolving Clever related issues. If an issue is complex the Lexia support ticket is immediately escalated to a senior Lexia Support team member for assistance.

    What are student contacts?

    A student contact is usually a student’s parent, guardian, or emergency contact. Clever can support multiple student contacts for each student.

    To see the student contact data that you currently have in Clever, navigate to the Data Browser and click the Student Contacts tab:

    How is student contact data stored in Clever?

    There are five fields in Clever that holdstudent contact data:

    Contact_type - Type of contact - e.g. ”family”, ”emergency” or ”guardian”. Contact type is required.

    Contact_name- The name of the contact.Contact name is required.

    Contact_relationship - The contact’s relationship to the student - e.g. ”Father”, ”Aunt” or ”Neighbor”.

    Contact_phone - a 10 or 11 digit phone number without any characters, such as parentheses or dashes

    Contact_email - Contact’s email address. Must match format [email protected]

    How do I sync student contact information to Clever?

    The way that Clever pulls the student contact data depends on the sync type that your district uses. Find your SIS sync type below for more instructions!

    SFTPSync

    For SFTP syncs, you will include the five contact fields in the Students.csv: Contact_type, Contact_name, Contact_relationship, Contact_phone, and Contact_email.

    To provide multiple parent/guardian contacts: create multiple rows for each student- with different contact information for each of the student’s contacts.

    SIS-Managed Auto Sync

    For SIS-Managed Auto Syncs, Clever has partnered directly with the SIS provider to offer an automated sync option. Reach out to your SIS provider to find out whether student contact data can be included in your exports.

    Clever-Managed Auto Sync

    When providing student contacts, there are two fields that are always required: Contact_type and Contact_name. Find your Clever-Managed Auto Sync below for more SIS-specific instructions!

    Aeries

    We currently pull one contact record per student, from the following fields on the Student endpoints of the Aeries API:

    ParentGuardianName

    ParentEmailAddress

    Infinite Campus Auto Sync

    Students can have many (up to 6-7) contacts in Infinite Campus. Clever pulls from these fields:

    Clever syncs student contacts from the guardian endpoint and pulls multiple contacts per student. We can customize the Auto Sync to pull student contact information from different fields, as long as those fields are accessible via Skyward’s API. for more information!

    What user roles are available?

    Within the dashboard, district administrators canassign new user roles to district and school staff.These users have unique permissionsthat allow them to access some areas of the district dashboard-without being able to modify important settings.

    User roles are limited based on whether the user is initially uploaded as a district admin or non-teaching staff member.

    How do I know which roles to assign users at my district?

    Clever user roles should be based on an individual's staff position within your district as well as the level of access to district data you'd like them to have. Users assigned any of the "district admin" roles often work closer to district-wide data. Those assigned "non-teaching staff" roles typically only need access to data for particular schools or only require access to particular applications.

    This article describes how to find and view key details about districts that are connected to your app through Clever.

    Setting and managing launch dates

    On your homepage, you’ll see a list of your districts. The tags under each district indicate whether the district is:

    Launched - this district is ready to use your app through Clever!

    Setting Up - during this phase, teachers and students cannot see or access your application.

    Licenses Exceeded - the district has overshared students or schools with your application and need to adjust their sharing permissions

    Please note: The licensing feature makes it easier to manage and communicate with districts about licenses, but it does not limit how many students or schools can be shared.

    When you click on a district’s name, you'll see a few key details about that district. At the top of the page, you’ll find the following information:

    Sync Status: The icon indicates the status of the district's sync. For details on possible sync statuses, please see: District Sync Statuses.

    Sharing type: This indicates how a district has scoped their data for your application. Any permissions updates must be made by a district administrator. Possible descriptions include:

    Sharing no data

    Sharing all data

    Sharing selected schools

    Sharing selected sections

    Sharing data by rules

    Shared schools: This is the number of schools shared by the district. Here, you are also able to set the number of licenses that you have allotted to the district. For more information on using the license feature in Clever, see Set Up License Usage Limits.

    Launch date: This is the date that end-users will have access to your application. Usually, this date is agreed upon by you and the district, but the Launch Date in Clever is set by your team. For more information about managing launch dates, reference .

    Further down on the overview page, you will see the following 3 sections:

    Instant Login Info

    District Info:

    In this section, you can find contact information for the district administrator maintaining the Clever account, in addition to the district’s Clever ID, MDR number, and OAuth token.

    Sync Info:

    Here, you can view which SIS and sync type (SFTP, Auto-Sync, etc.) the district is using to sync data into Clever. The last successful sync date indicates when the district has last synced fresh data with Clever. If the district's syncs are configured to occur nightly or hourly, you’ll also find the predicted next sync time.

    Instant Login info:

    This section provides information on the district’s Clever Portal URL, as well as their login method into Clever. If the district does not use the Clever Portal, they can use the listed Instant Login Link to embed Clever authentication for your application into a different SSO portal. (Note: the district has access to the Instant Login link for your application in their Clever dashboard, as well)

  • How do I create a Clever account for myself or my students?

    We're excited to hear that you are interested in using Clever! Student, teacher, and staff accounts are created when your district syncs information into Clever from the Student Information System (SIS). This process is managed by your district administrator. Clever Support does not have the authorization to manually create accounts for users in your district.

    If you are a teacher and you'd like to have access to your district's Clever account, you will need to reach out to your district administrator. They will be able to ensure that your teacher account is created through the sync from the SIS, or manually within Clever.

    If you'd like your students to have access to Clever accounts, you can also reach out to your district administrator.

    If your district doesn't currently have a Clever account, your district administrator or technology staff can sign up for one at no cost.

    I already have a teacher account in Clever. How can I add admin privileges?

    If you already have a teacher account in Clever, but you'd like to have admin privileges, please contact your district administrator. Clever Support does not have the ability to change these permissions for your account.

    Loginto the Clever Portal, and click on theTeacher pagethat is shared with your students

    Select "Download student Badges." This will download Badges for all students who have that particular teacher page shared with them.

    If you only see the option, "Download Class Set of Usernames", this means that printing class sets of Badges is not enabled for your district, school, or grade level. Please contact the Tech Support at your district for more information.

    Note: Badges can also be generated via the "Classes" tab at the top of your Portal.

    Badges provide direct access to a student's Clever account and should be protected just like a password. Anyone who has access to a Badge can sign in as the student and access their accounts in both Clever and connected applications. Please protect the security of your students and do not share images of the QR code publicly on social media.

    How do I re-print or create a new Badge for my students?

    Log in to the Clever Portal and click on the Teacher Page that is shared with the student

    Click on the student's name on the left hand side of the Teacher Page

    Select"Download Badge"to re-print their Badge

    The Badge will download to your computer, which you can print and give to your student

    To create a new Badge, follow steps 1-2 as listed above and then:

    Select "Void Badge" - this will ensure that the previous Badge printed for the student does not work as their login

    Confirm that you would like the Badge voided

    Click on the student's name again and select "Download Badge"

    Note: Badges can also be voided via the "Classes" tab at the top of your Portal.

    Which users should be designated or assigned as staff members in Clever?

    Staff members in Clever are typically referred to as either non-instructional staff members at the district or school, or employees who do not have a designated or assigned roster in your Student Information System (SIS).

    Here are just a few examples of the different types of staff members Clever supports:

    Where do staff members log in to the Clever Portal?

    Staff and school admins should log in at your district portal URL, which is specific to your district. You can find this URL by going to your district dashboard > Portal > Portal Settings page.

    Please note: If you're using ADFS, LDAPS, or any other identity provider (IDP) that requires manual setup, you will need to edit your claims rules to allow staff members and administrators to access the Portal. If you have any questions about claims rules pleasesee this Help Center article.

    Your district staff will use the same single sign-on (SSO) authentication you have designated for your teachers and students (e.g. if your district uses Google, staff can log in with their Google credentials).

    What if my staff members are also teachers?

    Clever supports users being both teachers and staff members!

    If an individual is both a teacher and a staff member in Clever, theycan access both user accounts using the same set of credentials. Upon entering their credentials, Clever will prompt themto select which role theywould like to log in with.

    What are custom fields?

    If your district would like to send data fields to Clever that are not already accepted by our Data Specification, you can do so by uploading custom fields either directly into the Clever dashboard, or through your district's existing sync.

    District administrators have the ability to add custom fields for the following data types:

    Schools

    Sections

    Students

    Teachers

    Staff

    Our system does not accept custom fields for enrollments or student contacts data at this time.

    How to upload custom fields through the Clever Dashboard

    Custom fields can be uploaded through the district dashboard on the Custom Data page. ClickAdd custom data > Fields.A window will pop up that allows you to upload a CSV file for each data type that you would like to create extension fields for. This feature is currently available for all sync types.

    Data Browser Please note: If your district already syncs the same custom field through the SIS sync or another custom data sync, those values will take precedence over this custom field upload.

    The CSV format is the same for all record types:

    sis_id, {custom fields}

    Custom fields must be prefixed with "ext". For example, a custom field named 'nickname' should be labeled "ext.nickname". Please refer to the example below:

    How to upload custom fields through your district's existing SIS sync

    SFTP and SIS-Managed Auto Syncs: Simply add the field to the desired data set in your CSV files and append ext. to the beginning of the field name! For example, fields such as “Program Code” or “Gifted Status” can now be added with columns namedext.program_code or ext.gifted_status in your CSV files.

    If your district already uses an SFTP sync to Clever, you can also upload custom fields through files uploaded to the Clever SFTP directory! You can add the following files to a subdirectory named/extensionfields:

    Schools_ext.csv

    Sections_ext.csv

    Students_ext.csv

    Teachers_ext.csv

    Staff_ext.csv

    PowerSchool, Infinite Campus Auto Sync, Skyward Auto Sync, Illuminate Auto Sync, Aeries Auto Sync, SchoolInsight Auto Sync, iNow Auto Sync: Extension fields can be added as a custom field mapping! Please reach out to Clever Support and we can get this started for you.

    Please note: SIS-synced custom fields are NOT available for Infinite Campus API or SFTP OneRoster districts at this time.

    How do I view and manage my district's custom field data in Clever?

    You can take a look at your most recently uploaded custom fields on the Custom Data > Reports page. Here, you can view details about the record type, the fields that were added, and the time of the last update. This page also includes an error report if there happens to be any errors in the files. You can also download your district's current custom field files.

    Custom field data for each particular record type can be viewed in your . You can search and view the data in the user/section profile underneath the “Extension Data” category in the profile view.

    Can I use custom fields to create sharing rules?

    Yes! custom fields can be used to create unique sharing rules for an easier, more seamless sharing process with your connected applications.

    Will my connected applications receive custom field data?

    Selected applications will be able to receive custom fields in the coming months. If you would like to send applications your custom field data, please reach out to your account manager at the application to inquire about availability.

    If the application accepts the custom field data, the custom fields need to be explicitly shared by clicking through the 'Advanced Settings' on the app page. Sharing all fields will not share custom fields by default.

    Badge login flow

    Students who are using Badges will go through the following login flow:

    1. They will have the option to choose "Sign in with a different account" or the blue "NEXT" button. They should select "NEXT".

    2. Once they select the "NEXT" button, the badge screen will appear:

    They should then be able to scan their badge, see a green checkmark.

    Once students see the green checkmark, the Clever loading page will appear and the student will be signed into the Chromebook!

    Recommended login flow for logging in with Google

    Your district may have Google already configured as a third party identifier for users to get into Clever. This is not required for the Clever into Chromebooks integration, but users can still log into their Chromebooks by typing their Google emails are passwords.

    Users should experience the following login flow when they want to login with Google:

    1. They will have the option to choose "Sign in with a different account" or the blue "NEXT" button. They should select "Sign in with a different account".

    2. Once they select the "Sign in with a different account", they will be prompted by Google to enter their Google email and password.

    Once they enter their credentials and hit "NEXT", they will be signed into their Chromebooks!

  • If your district uses Clever Passwords, teachers have the ability to download a list of their students' usernames within their Clever Portal! Teachers can download the list of usernames for each of their classes.

    Step 1

    From your Portal click on the Pageat the top of your Portal that is shared with your students.

    Step 2:

    Click on"Login tools"on the left side of the page.

    Step 3:

    Click"Download student usernames" in the dropdown menu. This will download a CSV file containing the students' usernames along with each student's first and last name.

    Logging in to the Help Center

    To log in to our Help Center:

    1. Navigate to https://support.clever.com/

    2. Select "Sign in"

    3. Select "Log in as District Admin"

    4. Enter the email and password that you use to log in to your Clever Dashboard (https://apps.clever.com)

    Viewing your Clever Support tickets

    To view your Clever Support tickets, click on your profile picture in the top right corner and select "My activities"

    You will see two categories of tickets:

    My requests

    Requests I'm CC'd on.

    These views will show all ticket history associated with your email address. To find the ticket you are looking for you can use the provided search bar or sort by "Last Activity" or "Status".

    You can respond to a support ticket at the bottom of each support thread. The following actions are available:

    If your district has enabled Active Directory as your sign-in method to Clever, you may be able to reset your Active Directory password from Clever. Please note that this set-up will only be available to you if your district level admin has enabled this. If you do not see the Account Recovery option in your Clever portal, you will need to contact your district to reset your Active Directory password. If this is set, you will always be able to reset your AD password from within your Clever portal, but to make sure you can reset it outside of your Clever portal, you’ll need to set up an account recovery method.

    Set Up Account recovery

    You will need to set up account recovery to have the ability to reset your password when you are not signed in to your Clever account. To do this, click the drop-down menu by your name in the top right corner of your Clever portal.

    Once clicked, a modal will pop up where you can select your preferred Account recovery method. You will be able to enter an email address or a phone number for Clever to contact you when you need to reset your password.

    Resetting your Active Directory password through Clever

    There are two ways to reset your Active Directory passwords through Clever.

    1) If you are signed into Clever, you can easily reset your AD password by clicking the drop-down menu by your name in the top right corner of your Clever portal:

    From there, a modal will pop up allowing you to change your AD password

    2) If you are not signed in to Clever and you have forgotten or want to rest your AD password, you will need to use the Account Recovery method you set up in . You will click the Get help signing in! button on the button of your district’s Clever portal:

    From there you will have the ability to select Recover Active Directory account with backup login method.

    And be taken to the following page:

    Please note:Your user identifier is set by your District. Clever support cannot provide this for you.

    After you enter your user identifier, Clever will send you a verification code through your preferred method set up in step 1. You will be able to use that code to reset your password on this page:

    Please note:Your password must match your district set requirements.

    Once you've reset your password, navigate back to your district's Clever portal and you'll be able to get in with your new Active Directory password!

    How do I log into Clever as a teacher?

    Go to your district's Clever Portal login page, which should follow the formathttps://clever.com/in/<district name> (e.g., clever.com/in/cleverusd). If you don't know your district's Clever login page, you can go to clever.com/login and look for your school.If you cannot find your school, please ask your district administrator where you should go to log into Clever.

    Log in with your districtusername and password. Your username and password are set up by your school district. They may be your teacher number, ID, or email address. For specific instructions on usingClever Passwords, Google, or Active Directory, keep on reading!

    From your Clever Portal, you can click on an application to access, configure your Teacher Pages, check out the Clever Library, or help a student!

    How do I log in to Clever as a School Admin?

    Below are instructions for logging into Clever with specific login methods:Clever Passwords, Google, and Active Directory.

    Logging into Clever with Clever Passwords

    If you are using the 'Log in with Clever' button, enter your district username and password.Your username and password are set up by your school district. They may be your teacher number, ID, or email address.

    If you see the error ('Invalid username or password'), this means that the username and/or password you have entered are not correct for your Clever account.

    You can click the 'Get help signing in!'link to reset your password using the email linked to your Clever account. Please note: not all districts allow teachers to reset their own password. If you do not see the option to reset your password, or if this doesn't resolve the issue, please reach out to your district administrator for help with your Clever username and password.

    Logging into Clever with Google

    If you are using the 'Log in with Google' button, you will be redirected to sign into the Google email linked to your Clever account (your school email). Please note: using your personal Google email will not sign you into Clever.

    If you see the error message ('Wrong password. Try again or click Forgot password to reset it'), this means that the password you entered for your Google email is incorrect. You will need to enter the correct password for your Google account, or use the 'Forgot password?' link to reset the password for your Google account.

    Please note: not all districts allow teachers to reset their own Google password. If you do not see the option to reset your password, or if this doesn't resolve the issue, please reach out to your district's support desk for help with your Google email and password.

    If you see the following error message ('Uh oh! We were not able to authenticate using Google email: [email protected]' ),this means that the Google email you signed into is not the email that is linked to your Clever account. Please make sure you are using your school Google email account.

    If you are still having trouble when using your school Google account, please ask your district administrator to confirm the correct school email that is associated with your account in Clever.If they are still seeing an issue, they can contact Clever Support.

    Logging into Clever with Active Directory

    If you are using the 'Log in with Active Directory' button, you will be redirected to sign into your school account through Active Directory Federation Services. The username and password for ADFS are managed by your district administration.

    If you see a message similar to 'Incorrect user ID or password', you will need to reach out to your district administrator for help with accessing your account.

    How do I changemy password in the Portal?

    If you are using the 'Log in with Clever' button and your district has allowed teachers to change their passwords, you can do this through the following steps:

    Log in to your Clever account.

    Click on the person icon in the top right corner of the screen and select "Change Password".

    Type your current password and desired new password (twice).

    Click "Change Password".

    If you are logging into Clever through Google, Active Directory or LDAPS,Clever is unable to changeyour password. This is because our system does not have access to your actual password in these instances. If you’ve double-checked that you used the correct credentials but are still having trouble logging in, please reach out to your district administrator for assistance.

    You can find your district support contact information by clicking the 'Get help signing in!' link on the Clever login screen. From here, you should see an email or phone number where you can reach the support contact for your district.
