View ArticleAs a reminder, all personal meeting rooms have been upgraded and your account will now accept up to 50 attendees. If you are finding you will be hosting a meeting that will go beyond that number, you can request to use the Zoom Large Meeting or Webinar accounts through Zendesk.
The Zoom Large Meeting room has a capacity of 250 and functions the same as your personal Zoom meeting room
The Zoom Webinar has a capacity of 500. Please note that in the Webinar, only the host and panelists can be heard and seen, the attendees will not have this ability.
Ready to schedule your meeting? Please submit a Zendesk ticket and Facilities will help get the room scheduled and then send you the confirmation and instructions.
Heres what you can expect:
Drop the dropdown, select the Facilities form
Under Facilities Request Type, select the Zoom Large/Webinar Request option
Fill in the blanks for the requested information: Name of Meeting, Date of Meeting, Time of Meeting
What type of meeting is this? You will identify if you want the Large Meeting Room or the Webinar account.
Who is the Moderator? This is the person who we will send the meeting access information to and who will be expected to open the meeting. The moderator can be you or another member of your team. The moderator is the person who will start your meeting
Would you like Facilities to start your meeting? Facilities can be on hand to start your meeting in a Zoom Room or if you are needing to record, can start the meeting from the Zoom account and then assign the identified Moderator as the host.
What room have you reserved for this meeting? Identify the Zoom Room you reserved in the Outlook calendar system.
If you would like to record your meeting, you will need to log into the Large Meeting and Webinar accounts and then start the meeting from here.
If you do not need to record, then you can just input the Meeting ID into the Zoom Room iPad Controller.
Please submit a Zendesk ticket with any questions, concerns, or issues.

Try rebooting your system first. Many Windows problems can be resolved with a reboot.
If it is still slow after a reboot, try minimizing the amount of programs you have open and if it still is slow, put in a Helpdesk ticket.

Turn on TV
Put the TV input on HDMI 1
You should see the Zoom Room home screen
If not, from the iPad click the Zoom Room app
Pick up the iPad Controller and unplug charging connector
The iPad will control the camera, screen sharing, and display
**After use, please plug in the white cord so the iPad can charge. **
How do I start an already scheduled meeting?
Select Join (from iPad Zoom app) and enter the meeting ID.
**If you need to record your meeting, you must sign in via your laptop so you are assigned as the host. You will then select record on your computer. You can then connect by following the above instructions.
How do I call another Zoom Room or person?
Click on Meet Now from the iPad Controller.
Select Invite and Select the room(s) or contact(s) you would like to call.
ClickInvite to invite your participants to join an instant meeting
How Do I Receive A Call?
You will receive a notification that aconference room is calling you.
On the iPad Controller, select Accept, or Decline.
If you do not see this option, make sure the iPad Zoom Room app is running
How Do I Share Screen?
After logged into your meeting, select Share Content on Ipad
On your laptop, type in the website given- this will connect your laptop to the meeting room (without video or audio backfeed). Now you can share your computer screen with the room and virtual attendees.
Helpful hints
To adjust the camera, select Camera Control. Zoom in or out with the + or -, or steer the camera up/down, left/right.
You can mute audio or stop video from the iPad controller.
If the TV is asking for a password, leave blank and hit ok
Is the iPad asking for a password? Use 123456.

To upload your photo in Zoom, sign in via Okta or go to https://zoom.us.
Under My Profile, you will see Change under where your photo will go.
Select Change and upload your headshot saved on your computer.

Are worried that there will not be enough space.
If you would like to be seated near your team.
If you need to check outa loaner laptop:
Search for and open the Shared Outlook calendars for the loaner laptops for the building.
Reserve the loaner laptop in the same way you would reserve a room.
Ask IT for a headset or mouse.

On the month of your tenure, your recognition swag will be distributed directly to you at the office Cake Drop.If you arenot present at the Cake Drop, your recognition items will be distributed by a Facilities team member.
For offices withouta Cake Drop, the items will be delivered near the beginning of each month.
If you have not received your swag during the month of your anniversary, please submit a Facilities ticket and we will look into it.

Unless an emergency closing is announced, all employees are expected to report to work. However, all employees are urged to use their own discretion in deciding whether they can commute safely to work. When an emergency closing has not been declared, employees who do not report to work because of inclement weather have the following options:
If you are able/set-up to work from home, the expectation is that you will work as normal
Use vacation hours to be paid for hours not worked (paid time)
Take leave without pay (unpaid time), or
Work with your manager to potentially make-up missed hours later this week, including potentially working this coming Saturday, if possible/needed
In the event of severe weather or a natural disaster that prevents employees from safely traveling to and from work, you must notify your manager by phone or text message within 30 minutes of your normal or scheduled start time. At that time, let your manager know your plans to work from home, commute in to the office, or take the day off using one of the options above.
If there is an office closure: If the weather becomes severe and our building is closed, then the company will officially close our office and employees will be paid for their normal scheduled work hours. If this rare situation arises, employees should choose from the drop down on their timecard the Administrative hours for the non-worked hours tomorrow and these hours will be paid. However, if the office is closed and you are equipped and able to work from home, you will be expected to work as normal.

Yes, The engineering team has built Zoom functionality into Slack. Type`/zoom`to return your personal meeting URL. Type`/zoom new`to start a brand new instant meeting. Please keep in mind this functionality will only work if your email in your Slack and Zoom accounts is the same. Post any problems in the #engineering Have fun!
