Frequently Asked Questions About Lavu

  • RFID Cards or Key Fobs can be used to quickly confirm a user PIN code on the Lavu application. When the PIN screen appears, a user will swipe a Card/Fob, instead of manually entering a PIN code. This is commonly used for faster Clock In/Out, authorizing voids, discounts, and other restricted actions in the Lavu app.

    Note: The RFID scanner requires an Epson TM-T88V-i smart printer and plugs in via USB, see the below section for hardware details.

    ENABLE USE OF RFID SCANNER

    1. On a computer, launch a browser and navigate to the Lavu Control Panel. Login with a Username and Password.

    2. Go to Settings > Location and click on Advanced Location Settings.

    3. Enable Allow use of RFID scanner for PIN entry. This setting is found in the Checkout Options section of Advanced Location Settings.

    4. Click SAVE in the bottom right of the page.

    5. Navigate to Workforce > Manage Users.

    6. Click on any user to be assigned an RFID Card or Fob.

    7. Expand the PIN & Password section.

    6. Enter the first 5 digits of the RFID Card or Fob into the SetRfidfield.

    7. ClickUpdate.

    Note: If the 5 digits are not explicitly noted on the RFID Card or Fob, follow these instructions to obtain the 5 digits needed:

    On a computer or laptop, plug the RFID scanner into a free USB port. Open the Notes Application. (This is a default application installed on an iOS device).

    Use the RFID scanner to scan a badge. The required 5 digits should populate into Notes. Save this information.

    RFID WORKFLOW

    1. Once the previous steps are complete, launch the Lavu POS application, and Reload Settings.

    2. Ensure that the correct printer is assigned to the iPad. Refer to the article Server Handbook: Register Functions for instructions. The correct printer is the printer with the RFID reader attached to it.

    4. Start the normal process to Clock in or Clock out. (The RFID scanner can also be used any other time a PIN Code is required, such as discounts and other functions that are restricted by .

    5. Instead of manually typing in a PIN code, swipe the RFID Card or Fob.

    6. After a successful swipe, the PIN screen will disappear. Tap Clock In or Cancel (If any errors occur, repeat the previous steps on this document and double check the RFID/User Settings).

  • Section 6.7: Customer Management

    The Lavu POS now allows for a location to gather and store select customer information. This feature allows a location to quickly find customer addresses for delivery or to send out emailed receipts and newsletters to keep their customers coming back for more.

    1. Log into the Lavu Control Panel at cp.poslavu.com.

    2. Navigate to Settings > Users/Customers.

    3. Click Customer Management.

    4. If Customer Management has never been enabled then click Enable.

    5. Enable or Disable Require customer selection before entering Check Out. When this setting is enabled, POS Lavu will not allow an order to go to Check Out until the required customer information has been entered.

    6. Enable or Disable Automatically start customer selector when starting a new order. When this setting is enabled the customer information interface will launch when an order is started.

    7. Enable or Disable Auto focus on customer search with app.

    8. Enable or Disable Start customer selector with recently active customers. When this setting is enabled the customer selector will be presented with most recently active customers first on the list.

    9. Enable or Disable Bold search findings in results. When this setting is enabled the search results will have bold text where your search entry matched the result.

    10. Enable or Disable Enable Waivers With User Signature. When enabled, this settings will allow for customers to sign a waiver on the iPad.

    11. Enable Disable Customer Management from within the app to turn off the customer information interface on the Frontend.

    12. Use the "Default State/Province" dropdown menu to select a state. If the desired state is not in the dropdown menu, refer to the following link Refer to to edit default states.

    13. Add a default city.

    When Customer Management is enabled, the First and Last name data fields are required by default and cannot be changed. For each of the other data fields, select the applicable options from each drop-down menu.

    Include: Select whether a data field is included or --Hide--. When --Hide-- is selected the data field will not appear on the Frontend.

    Required: Select whether the data field is Required or Optional.

    Order: Select the order in which the data fields will appear.

    Print: Select whether the data field will not print or print on the kitchen ticket, customer receipt, or both.

    Report: Select whether the data field will report in the Active Customers report.

    Once all changes have been made, click SAVE then Reload Settings on the Frontend.

  • There are 2 places from which employees may Clock In or Clock Out using Lavu.

    PINScreen

    Service Type Screen

    Utilizing the Clock In / Clock Out feature allows a location to track their employees shifts for payroll purposes and bolsters user accountability. This feature may also be used in conjunction with Lavus Pay Rates and Employee Classes add-ons.

    To ensure proper order closure and facilitate daily closing procedures, it is recommended that servers not be allowed to clock out while they have open orders.

    To restrict servers ability to clock out with open orders, please see the following article:

    Advanced Location Settings - Order Options

    Clock In / Out from the PIN SCREEN

    1. Tap the clock icon in the top right corner of the screen. Note that the Go button on the pad also becomes a clock icon when this function is activated.

    2. Enter employee PIN using the number pad then tap theNext icon.

    3. Tap Clock In / Clock Out OR Cancel to negate the action and revert to the PIN screen.

    5. Tap Continue to complete the action.

    A small ticket will print to the devices assigned register with the employees name and punch time.

    Clock In / Out from the SERVICE TYPE SCREEN

    1. Tap the hamburger icon and selectTime Clock.

    2. Enter employee PIN using the number pad then tap theNext icon.

    4. Tap Clock In / Clock Out OR Cancel to negate the action and revert to the PIN screen.

    Note: In addition to clocking out, users already clocked in will have the option to Break Out. This function distinguishes between a full clock out at the end of the day and a break; it is most often used to track lunch or other allotted breaks for servers working an extended / double shift.

    5. Tap Continue to complete the action.

  • Section 5.2: Payment Methods

    Payment Methods can be created to apply non-traditional payment types to orders at Check Out. Common Payment Methods include, but are not limited to, the following:

    CREATING PAYMENT METHODS:

    1. Log in to the Admin Control Panel at cp.poslavu.com.

    2. Click Settings > Payment.

    Auto-Close - When selected, the order will close automatically when the Payment Method is applied to an order at check out. This is the most common selection

    Set-Up: Epson Printers

    POS Lavu now supports Epson Ethernet printers. The following printers are supported TM-T20, TM-T20II, TM-T70II, TM-T88V, TM-T88Vi, TM-m30, and TM-U220.

    All printers used with POS Lavu should be Ethernet printers hardwired directly to the router or a switch.

    The setup is simple, but it is important that the Epson printers are purchased from the Lavu Sales team. The Lavu Sales Team can be contacted via e-mail or phone (855-767-5288). These printers have a special configuration that make them easy to set up. If you purchase printers from another location, you should be able to get them working, however we will be unable to assist you with the setup.

    It must be understood that in some cases printers that were previously used with other POS systems may not be programmable to work WITH other POS systems, including Lavu POS.

    Once acceptable Epson Printers are purchased, follow the steps below.

    THE PRINTER:

    1. Plug one end of an Ethernet cable into the router and the other into the back of the Epson printer.

    2. Plug the printer power cable into the back of the printer then plug into a wall socket.

    3. Turn the printer on; after powering on, the printer will print out a small slip of paper with an IP Address. Save this slip of paper, it is necessary to properly set-up the printer.

    NETWORK AND CONTROL PANEL SETTINGS:

    1. Open a web browser (preferably Google Chrome, Mozilla Firefox, or Safari).

    2. Type the IP Address from the printed ticket into the URL field.

    Note: If prompted for a Username and Password, enter in "epson" in both fields without the quotes.

    3. Click TCP/IP located on the left side of the Epson configuration page.

    4. Select Manual from the Get IP Address drop down menu.

    5. Enter an IP Address (this will be the static IP Address for the printer, not necessarily what was printed on the ticket, it should be outside of the routers DHCP range).

    6. Click Submit located at the bottom of the configuration table.

    7. Click Reset to enable changes.

    8. Log into the Control Panel at cp.poslavu.com.

    9. Navigate to Settings > Printers/Technical.

    10. Select Printers / KDS and scroll down the page to the Printers / Technical section.

    10. Click Add New.

    11. Select the appropriate unassigned Setting (Receipt or Kitchen).

    12. Enter the Name of the printer (it is recommended that printer names adequately describe what the printer is used for; i.e. Bar Printer or Salad Station).

    13. Enter the IP Address that was entered into the Epson configuration page.

    14. Enter the Port (most commonly 9100).

    15. Select Epson from the Printer Type drop down menu.

    16. Select the appropriate Command Set from the drop-down menu.

    17. Select the appropriate Model from the drop-down menu.

    18. For Image Capabilities, select Epson Graphicsfrom the drop down menu.

    19. Click SAVE at the bottom of the page.

    20. Reload Settings on the Frontend to enable all changes.

  • Let Lavu meet all of your hardware needs at the Lavu Shop !

    Adding a cash drawer to your POS system will simplify cash intake management and allow use of Lavus ability to open the drawer from the application.

    Lavu supports a single cash drawer manufactured by APG Cash Drawer. While Lavu endorses the use of Epson printers with the POS, this cash drawer may also be used in conjunction with compatible Star Micronics printers. However, Epson and Star Micronics use different cables to connect the printer to the drawer.

    Note: Use of the wrong cable can cause an electrical short resulting in damage to the printer and/or cash drawer.

    For this reason, it is important that the LavuSales Department be consulted on the purchase of APG products intended for use with the Lavu POS. The Sales Team is available by phone, during regular business hours, Monday-Friday at1-877-767-5288, or via email at [email protected].

    Once the appropriate hardware is acquired, setting up the cash drawer is a simple process. Most of the work will have been done during receipt printer setup, which should be completed prior to the addition of a cash drawer.

    COMPONENTS

    Each APG Cash Drawer package purchased from Lavu should include the following:

    1. Cash Drawer

    2. Keys

    3. Connection Cable

    4. Drawer Till - The removable tray inside the drawer containing compartments to separate cash and coinage denominations.

    CONNECTING THE CASH DRAWER TO A RECEIPT PRINTER

    1. Carefully tilt or turn the cash drawer over so the connection port on the bottom right corner is accessible.

    2. Connect the large end of the connection cable to the drawers connection port. Place the cash drawer right-side up again.

    3. Connect the small end of the connection cable to the receipt printers RJ12connection port.

    Epson TM-T88V and TM-T88V-i model printers RJ12 port is located on the back of the device in the upper left corner.

    The Epson TM-T20II model printers RJ12 port is located on the back of the device between the power and ethernet ports.

    OPENING CASH DRAWER

    An iPad Terminal must be paired with the receipt printer as a register in order to open the cash drawer from the POS application. Please refer to the following document to Select Registers for receipt printers:

    To open the cash drawer from Lavu, tap the $ symbol button from the Quick Serve, Tab, or Table service type screen.

    You may be asked to enter your PIN in order to open the cash drawer.

    ASSOCIATED CONTROL PANEL (BACKEND) SETTINGS

    The system can also be configured to allow cash drawers to open automatically when applying cash payments and other transactions. Settings governing cash drawer operation may be found in Advanced Location Settings under the Check Out Options section.

    The Following settings will determine when, or if, the cash drawer opens automatically when certain payment types are used.

    1. Enable or disable Open cash drawer when applying cash transactions.

    2. Enable or disable Open cash drawer when applying credit transactions.

    3. Enable or disable Open cash drawer when applying other transaction types.

    User Access Level required to open the drawer must also be selected.

    1. Access Level required to open cash drawer - Users at or above this level will be able to open the drawer manually using the Open Register button.

    2. Access Level required to open cash drawer when entering payment - The cash drawer will open automatically for users at or above this level in accordance with the enabled auto-open settings.

    You will need to adjust one setting in the back end.

    Log in to your Lavu admin control panel ( cp.poslavu.com ).

    Click on Advanced Location Settings.

    Scroll down to the green Order Options header,

    Select Tor Rey L-EQ via BlueSnap Adapter from the drop-down menu next to Bluetooth scale type

    Click SAVE at the bottom of the page.

    Menu Setting

    You will need to create the menu item or items that you want to weigh to assign the price associated with the weight. Check out this if you would like help with this step.

    Example: Earl Grey Tea (oz) $1.25 ($1.25 per oz)

    Once you have created the item:

    Select *Weight from the forced modifier drop-down at the top of the category OR in line with the menu item

    Selecting the forced modifier at the category level applies the modifier to every item in the category.

    Selecting the forced modifier at the item level applies the modifier only to that item.

    Click SAVE at the bottom of the page.

    Reload settings on POS Lavu application on all of your iOS devices

    This completes all of the steps necessary for setting up the Bluetooth Scale in the Lavu Control Panel. The next step is to set up the physical hardware.

    Hardware Setup

    The Tor Rey L-EQ Bluetooth scale ships with its power cord and a Bluetooth Adapter with a power cord and adapter.

    The adapter has four small white dip switches on the back of the device (pictured below). The switches need to be in the following positions to operate correctly:

    Using the L-EQ Scale with Your Lavu POS

    Open the POS Lavu application on the iPad you have paired to the scale

    Reload Settings

    If it does not prompt you to reload settings tap on the Lavu button in the top left corner and tap on Reload Settings

    Select a menu item with the weight modifier assigned to it

    A number pad will appear on the iPad screen

    Weigh your item on the scale

    Press Print on the scale

    The weighed item will appear in the order on the application. The weight will automatically calculate the price per weight

  • Register Functions allow users to perform the following actions:

    Select Register - Assign a Receipt Printer (with any attached cash drawer) to a Terminal or clear an existing register. Selecting a register tells the iPad where to print receipts and reports.

    Register Summary - Print a report detailing the sales and payment totals for the selected register.

    Paid In/Out - Perform Paid Ins and Outs to better track non-order related cash transactions.

    SELECT REGISTER

    1. Tap the hamburger buttonin the bottom left corner of the screen.

    2. TapFunctions.

    3. TapRegisterFunctions.

    4. TapSelect Register.

    5. A list of all Receipt Printers will appear along with Clear Register.

    The current printer assignment is displayed at the top.

    Tap the Receipt Printer Name to assign the device to that register.

    Tap Clear Register to remove a register from the device. Clearing assigns the device back to the first receipt printer in the list by default. If the device is supposed to be paired with an alternate printer, it must be re-selected.

    Note: The device will now print all receipts to the selected Receipt Printer. No notification or noticeable change will appear in the app. Receipt Printers are named in the Control Panel Printer Settings.

    REGISTER SUMMARY

    1. Tap thehamburger buttonin the bottom left corner of the screen.

    2. TapFunctions.

    3. TapRegisterFunctions.

    4. Tap Register Summary. The report will print to the assigned printer.

    PAID IN/OUT

    1. Tap thehamburger buttonin the bottom left corner of the screen.

    2. TapFunctions.

    4. Tap Paid In or Paid Out, respectively.

    Paid In - Used for when cash is put into the cash drawer for reasons other than an order transaction. For example, change from a cash transaction with another vendor.

    Paid Out - Used for when cash is removed from the cash drawer for reasons other than an order transaction. For example, cash necessary to pay for a service or vendor.

    Note: A small ticket will print from the register assigned to the device (if any) detailing the Paid In or Paid Out, which signifies the systems acknowledgement of the action.

    4. A box will appear to enter the respective Paid In or Paid Out amount.

  • Section 7.3: Sync Status (Lavu Local Server Only)

    The Sync Status displays how much time has passed since your Lavu Local Server last synced with the cloud.

    1. Log in to your Control Panel (cp.poslavu.com) and navigate to Settings > Printers/Technical.

    NOTE: If you are experiencing issues of orders not showing on all your devices running the Lavu POS App or Control Panel reports not showing all orders you know should be there, check your Sync status. If your Sync status shows you are not syncing, do the following:

    Check that you have an active Internet connection. The LLS cannot sync with the cloud without an active connection.

    Check that the LLS Mac mini is Turned ON.

    Check that the LLS Mac mini is hardwired (via ethernet cable) to your router. If the cable has come loose or been unplugged, the LLS Mac mini cannot connect to the Internet.

    Check that all of your iDevices are on the same network as the LLS Mac mini.

    SECTION 7.2.1: PRINTERS / KDS - Direct Printing

    The ability to print is a necessity for nearly any restaurant; whether it is an order printing in the kitchen or a customer's receipt, printing is essential. ThePrinter / KDS settings are where you will set-up each of your printers and / or KDS's.

    Lavu recommends that you use Epson Printers; learn more about which models are compatible and how to set them up.

    Don't forget that you need to assign Kitchen printers to Menu Categories and Menu Items.

    1. Log in to your Control Panel (cp.poslavu.com) then navigate toSettings > Printers / Technical > Printers / KDS.

    2. Enable or Disable Enable Direct Printing.

    This setting will only apply if you have a two color kitchen printer.

    This setting requires that you upload an image to your Company Settings and have Graphics Mode enabled.

    Section 7.2.2: PRINTERS / KDS - Printers / KDS

    Aside from enabling Direct Printing, actually configuring your printers / KDS's is the most important step in getting your location printing. Remember Lavu recommends Epson Printers, but also supports Star Micronics Printers.

    NOTE: You will need to ensure your printers are set to static IP Addresses before continuing.

    NOTE:KDS Lavu has a slightly different Set Up Process.

    NOTE: KDS Pro also has a modified Set Up Process.

    6. Select thePrinter Type form the drop-down menu.

    7. Select theModel of the printer from the drop-down menu.

    NOTE: If you are using theEpson TM-T88V-i then you will need to select theLavu Controller pair mode from the drop-down menu that appears.

    8. Enter theCharacters Per Line,Characters Per Line (large font), andLine Spacing in the appropriate text boxes.

    9. Select theImage Capability (if any) from the drop-down menu.

    10. Enable or DisablePerform Status Check (Epson and Star only);this will increase or decrease necessary communication between your iDevices and printers.

    11. Enable or DisablePrint each item on it's own individual ticket.

    12. Enter aname in theProvide a Grouping Label (for reports) text field.

    13. If setting up a Kitchen Printer with a compatible Kitchen Buzzer, select theNumber of times to sound beeper when sending kitchen tickets (3.0+) from the drop-down menu.

    Section 7.2.3: PRINTERS / KDS - Printer Groups

    Printer Groups allow you to print Menu Items to multiple kitchen printers at one time. This feature saves time and reduces the risk of a prep station not getting an order. You can also have one kitchen ticket print in the kitchen and a second ticket print at your expediter station to increase efficiency.

    Don't forget to assign printers or printer groups to Menu Categories and Menu Items.

    CREATING A PRINTER GROUP:

    1. Log in to your Admin Control Panel (cp.poslavu.com) and navigate to Settings > Printers / Technical > Printers / KDS. Scroll down to the Printer Groups section.

    2. Click ADD NEW in the Printer Groups section of the page.

    3. Enter a Name for the Printer Group in the text field.

    4. Select the kitchen printers to be included in the Printer Group from the drop-down menus. A maximum of 6 kitchen printers can be included in a single printer group.

    NOTE: Only KITCHEN printers can be added to a printer group.

    5. Once all changes have been made to the Printer Group, click SAVE. Then, Reload Settings on all your devices running the Lavu POS App.

    Section 7.2.4: PRINTERS / KDS - Kitchen Printer Redirects

    Kitchen Printer Redirects are preconfigured, printer selections, for orders which provide the server with an option to select an alternate printer to send orders. These alternate printer options are selectable via the app and eliminate the need to change the printer configuration for the entire system from Printer Setup (app side) or the Admin Control Panel. This action is performed on a per device basis.

    Example Use-case

    A large restaurant has two bars; Main Bar and Patio Bar.

    Main Bar is covered by the default configuration:

    Drinks items print at the Main Bar via a printer with the kitchen2 designator.

    Food items print to kitchen via printers with kitchen# designators

    Patio Bar is covered by a preconfigured KPR (Kitchen Printer Redirect):

    Drink items are redirected to print at the Patio Bar via a printer with the kitchen3 designator.

    Redirects kitchen2 to kitchen3

    Food items print to kitchen via printers with kitchen# designators

    Default behavior - all drinks print to the Main Bar printer

    KPR - Device on the patio prints drinks to the Patio Bar printer

    Setting Up Kitchen Printer Redirects

    To set up Kitchen Printer Redirects, you first need to create the Kitchen Printer Redirect in the control panel. This option is under SETTINGS > Printers / Technical > Printers/KDS.

    Below Printer Groups is a new option called Kitchen Printer Redirects. Select ADD NEW.

    First, you can name the Kitchen Printer Redirect as it will appear in the app.

    Next, you will choose the first printer to be redirected. After this, select the PLUS SIGN to the right of the printer that is selected.

    Next, you will use the dropdown menu next to the printer you have selected and choose the new destination printer.

    You can use redirects for multiple printers. You can also select Do Not Print at the bottom of the list.

    After you have completed your list of printer redirects, you will hit Save. You will see the new Kitchen Printer Redirect listed now in this section.

    Next, you will need to select this Kitchen Printer Redirect in the POS Lavu app. This is selected on a terminal basis and selecting it will not affect any other devices.

    Selecting a Kitchen Printer Redirect is done by tapping on the hamburger button in the bottom left corner then clicking Settings.

    Select the Kitchen Printer Redirect that you would like to use for this single device. To change this, select Do not redirect. This will restore the device to the default printing assignments.

    How often do your employees need to trade shifts? Do you already use the Lavu Employee Portal (my.poslavu.com)? Would you like to know when your employees trade shifts? Here's how:

    1. Log in to your Control Panel (cp.poslavu.com) and navigate to Workforce >Settings.

    Learn how to enter an email address for a user.

    2. Expand the Shift change notifications section.

    3. EnableSend Mail Notification For Shift Trades.

    3. Select the appropriate group of people to notify from the drop-down menus for:

    NOTE: In order for email notifications to be sent out, an email address must be entered for the User.

    The Pizza Settings in Lavu POS allow for locations that serve Pizza to more easily create custom pizzas on the Frontend. There are a few steps necessary in order for the Pizza Settings to function properly. The first step is to navigate to Menus > Pizza Settings and enable Pizza Settings. Once this is done, the remaining steps are as follows:

    CREATING FORCED MODIFIERS WITH IMAGES FROM THE PIZZA CREATOR:

    1. Log in to your Control Panel (cp.poslavu.com) and navigate to Menus > Forced Modifiers.

    2. Click ADD MOD LIST (you may have to scroll down the page).

    3. Enter the name of the Mod List into the text field (i.e., New Pizza Mod).

    4. Select Choice or Checklist.

    Choice - When selected, the Forced Modifier will require that one of the modifiers in the list be selected before the Menu Item will be added to an order.

    Checklist - When selected, the Forced Modifier will not require any mods to be selected, but all mods in the list can be selected if desired, before adding the Menu Item to an order.

    5. Click ADD CHOICE.

    6. Enter a Modifier Title, Price, and Ingredients (optional).

    6. Select an Image to represent the Modifier; click any one of the system generated images from the pop-up window.

    Advanced Location Settings is home to numerous important and vital settings. It is absolutely necessary for each location to become familiar with these settings and how they effect the functionality of the Lavu POS App.

    In Advanced Location Settings - Check Out Options, the following settings can be defined:

    Gratuity.

    Tax/Gratuity Scheme.

    Required Credit Card Information when CC Integration is Disabled

    Payment Verification details.

    Generic Discount user level.

    PIN Settings.

    Receipt Options.

    Information Printed on Receipt.

    Register/Cash Drawer settings.

    Gift Certificate.

    Merge Order Identifying Information.

    RFID for PIN entry (SECURITY)

    Log in to the Control Panel at cp.poslavu.com. Navigate to Settings > Location and click Advanced Location Settings. Scroll down to Checkout Options.

    GRATUITY:

    Gratuity can be applied to any order automatically or manually. This Gratuity will appear in reports as Auto-Gratuity and will be included in the Total Sales numbers.

    1. Enable or disable Use floating decimal for main number pad.

    2. Enter the minimum guest count to add gratuity automatically. If set to 0, Gratuity will automatically apply to all orders.

    3. Enter Gratuity percent in decimal form. This is the percentage that will apply when Gratuity is automatically or manually applied to an order.

    4. Enter a Gratuity label for the Gratuity button on the Check Out screen of the Frontend.

    5. Enter the Gratuity Text that will be printed on receipts.

    6. Set the Access level required to manually toggle gratuity to the appropriate user level. This setting is used to restrict lower level users from applying Gratuity.

    TAX GRATUITY SCHEME:

    The Tax Gratuity Scheme determines which subtotal Taxes and Gratuity are based. These settings may be dictated by local, state, or federal laws and regulations.

    1. Select Tax and gratuity calculation scheme.

    Gratuity before Tax - This selection will calculate the Gratuity based on the subtotal BEFORE Taxes are applied. Taxes will be calculated based on the subtotal WITH Gratuity.

    Tax before Gratuity - This selection will calculate the Gratuity based on the subtotal WITH Taxes. Taxes will be calculated based on the subtotal WITHOUT Gratuity.

    Both based on subtotal - This selection will calculate Gratuity AND Taxes based on the initial subtotal.

    2. Select the Subtotal on which to base tax.

    Subtotal after Discounts - This selection will calculate the Gratuity based on the subtotal AFTER all discounts have been applied to an order.

    Subtotal after Item Discounts - This selection will calculate the Gratuity based on the subtotal AFTER ITEM discounts have been applied to an order.

    Subtotal before Discounts- This selection will calculate the Gratuity based on the subtotal BEFORE any discounts have been applied to an order.

    3. Select the Subtotal on which to base auto gratuity.

    Subtotal after Discounts - This selection will calculate the Gratuity based on the subtotal AFTER all discounts have been applied to an order.

    Subtotal after Item Discounts - This selection will calculate the Gratuity based on the subtotal AFTER ITEM discounts have been applied to an order.

    Subtotal before Discounts- This selection will calculate the Gratuity based on the subtotal BEFORE any discounts have been applied to an order.

    REQUIRED CREDIT CARD INFORMATION WHEN CC INTEGRATION IS DISABLED:

    1. Select the appropriate option from the Credit card info to ask for when integration is turned off drop-down menu.

    None - When selected, this option will require no additional information when the Card button is tapped at checkout.

    Card Type, Last Four, and Card Tip - When selected, this option will require the user to select the type of card, enter the last four digits of the card, and enter a tip amount when the Card button is tapped at checkout.

    Card Type and Card Tip - When selected, this option will require the user to select the type of card and enter a tip amount when the Card button is tapped at checkout.

    Card Type and Last Four - When selected, this option will require the user to select the type of card and enter the last four digits of the card when the Card button is tapped at checkout.

    1. Disable default Gift Certificate payment type, or leave it enabled (don't check).

    2. Enable or disable Verify payment amount when amount is keyed in.

    3. Enable or disable Verify payment amount when remaining amount is automatically used.

    Several PIN settings can be adjusted regarding voids and refunds.

    1. Enable or Disable Require admin PIN to void orders or checks. When Enabled, this setting will require an admin PIN to void an order or a single check within an order.

    2. Enable or Disable Require admin PIN to void payments or refunds. When Enabled, this setting will require an admin PIN to void any applied payments or processed refunds.

    3. Enable or Disable Require admin PIN to perform refunds. When Enabled, this setting will require an admin PIN for any refund to be processed regardless of payment method.

    4. Enable or Disable Skip reason prompt when performing refunds. When disabled, a prompt for a reason that a refund is being given will pop-up on the POS App. 5. Enable or Disable Display receipt print options at checkout.

    RECEIPT OPTIONS:

    The Receipt Options determine what options are displayed at checkout concerning receipts before an order closes.

    1. Select the Seconds before automatically dismissing receipt print options on iPad. When "Disable" is selected the print options will remain on the screen until an option is chosen.

    2. Enable or Disable Allow system to attempt HTML receipt emails. When Enabled, this setting will permit Lavu POS to try to send an email to the entered email address.3.     Lavu POS is designed to allow you the flexibility of programming overtime. This will allow the system to automatically calculate time and a half and double-time hours in the Time Cards Report ( Pay Rates must be assigned to each user for this to happen).

    1. In your Control Panel (cp.poslavu.com) navigate to Workforce > Settings.

    Basic Location Settings

    2. Expand the Overtime Settings.

    3. Select the work week ranges from from the drop-down menu.

    4. Select the Calculate day rollover at from the drop-down menu. The choices are Midnight or Day start/end. Day start/end is set in .

    5. Select Overtime applies after

    hours / day - the selections are "Does not apply", 1, 2, 3, 4, 5, 6, 7, 8, 9, 10, 11, 12.

    days / week - the selections are "Does not apply", 1, 2, 3, 4, 5, 6, 7.

    hours /week - the selections are "Does not apply", 10, 11, ..., 79, 80.

    6. Select Double time applies after. The selections are "Does not apply", 1 though 23 hours / day.

    7. Scroll down to see Holidays.

    8. U. S. Holidays can be designated for Regular pay, Overtime or Double time using radio buttons.

    9. Click Save when all your settings are complete.

    Reload Settings on all of you iDevices running the Lavu POS App.

    Tax Exemptions can be created to allow a location to charge no tax on specific orders. The Tax Exemption must be defined and the setting enabled in Advanced Location Settings to use this feature.

    5. For Discount Type select Lavu Loyalty.

    6. Type in the name you want the discount to appear under in the POS Lavu app.

    7. For Receipt Label, enter the name for the Lavu discount as you would like it to appear on the customers receipt.

    8. Enter whether you would like the discount to be a Percentage or an Amount discount for the Calculation Type.

    9. Enter either the percentage amount (as a decimal) or the dollar amount (without the dollar sign) for the discount to be applied to the bill. In this example .5 was used for a 50% discount.

    10. At this time, Lavu Loyalty discounts ONLY apply to the entire check, even if the other options for Apply To are selected.

    11. Restrict discount access to the GM/Owners level to prevent users from applying Loyalty benefits via Discounts instead of the Lavu Loyalty payment method.

    12. If users need to enter a reason each time the discount is applied, enable the "Prompt for Reason" option by checking the box.

    13. For Loyalty Points, enter the amount of points that must be reached in order for this discount to become available.

    14. For Loyalty Style select whether the discount will cost the amount of Loyalty Points entered for step thirteen, or if it will be unlocked at the point threshold entered for step thirteen.

    15. Click Submit to save your new Loyalty discount.

    Awarding Lavu Loyalty Points

    Awarding Loyalty Points to a Loyalty number allows the the points to be later redeemed for a discount once a certain point threshold has been reached. If you have not yet assigned loyalty points to menu items please view Assigning Loyalty Points to Menu Items.

    To Award Lavu Loyalty Points

    1. Ring in an item that has loyalty points assigned to it.

    Lavu Shop

    2. Tap Check Out to advance to the checkout screen.

    3. Tap the Other button to bring up payment methods that are not in checkout layout.

    4. Tap the Lavu Loyalty option.

    Note: By default Lavu Loyalty appears under the Other button once enabled for an account. For quicker access, use the Checkout Layout Editor to add it to the Lower Checkout Panel.

    5. A keypad pops up on the screen allowing:

    Manual Entry of the Lavu Loyalty number (then tap the Submit button).

    (primary method if a physical card is not used for Loyalty or an iDynamo or IDTech USB Credit Card Swiper is not available)

    Automatic Entry by swiping the card associated with the Loyalty number. Cards can be purchased directly from Lavu by clicking here.

    (if a compatible card reader is available and attached to the iPad)

    6. A new popup screen will appear allowing you to Award the points available or to Select Discount (if available), tap Award.

    To Redeem Lavu Loyalty Points for a Discount

    To redeem Lavu Loyalty Points, the discount points requirement must be met first. Once this requirement has been met, Loyalty Discounts may be applied using the Loyalty system.

    1. Once an order has been taken to the Check Out screen, access the Lavu Loyalty feature using the same steps as above (steps 3-6).

    2. Tap Select Discounts.

    3. A dropdown will appear, displaying all available discounts for the Loyalty Card. Tap the discount that needs to be applied to the order.

    Tip: Telephone numbers can be used as Loyalty numbers in the place of Loyalty Cards.

  • Many locations offer or are required to grant tax exemptions to some customers. Tax exempt status can be applied on a per order basis from the Check Out screen.

    Note: The ability to apply tax exemption must be enabled in the Admin Control Panel before the function will appear in the app. As is the case with many functions affecting the balance due for an order, tax exemptions are subject to Access Level restriction.

    By default, this feature will include a generic exemption for which a reason can be entered at the time it is applied. In the event of a specific, recurring tax exemption (e.g. a customer from a tax exempt organization like a religious group or diplomatic post), individual exemptions may also be configured in the Control Panel.

    APPLYING TAX EXEMPTION

    1. Take the order to the Check Out screen.

    2. Tap the Checkout Hamburger menu button

    3. Select "Functions"

    4. Select "Checkout Functions"

    5.Select Tax Exempt.

    4. Choose a preset Tax Exemption OR tap Other to enter a custom exemption reason.

  • Optional Modifiers are used in the Lavu POS application Order Screen to Add, Remove, or designate item ingredients On the Side.

    Optional Modifiers are questions that are not necessary for the order to be completed. For example, syrup flavorings for coffee drinks. These are additional add ons that a customer can request but the barista is not required to ask to complete the order. The most common use case for Optional Modifiers are toppings for a variety of food items like burgers, sandwiches, and ice cream. Optional Modifiers can also be used to allow toppings or other ingredients to be taken off.

    Optional Modifiers are created in the Lavu Control Panel, then assigned to Menu Items/Categories.

    The following steps demonstrate how to apply Optional Modifiers on the Lavu application:

    1. Add an Item to the order. Select the forced modifiers (if any) associated with that item

    Once all the Forced Modifiers are selected, there is the option to Add to order in the upper right hand portion of the screen. However, if the customer wants to select Optional Modifiers, they have the option to add them from the Optional Modifiers heading on the right or they can select "Optional Modifiers" in the order screen on the left.

    If Add to Order is selected, the page will be redirected to the order screen (seen below). Here, tap on the item that has been placed on the order to return to the previous modifiers page to make adjustments to previous modifiers or add new ones. The Save Changes button can be found in the upper right hand corner of the screen once finalized.

    2.Tap an Optional Modifier to add to the Order. If there is a price associated with the Optional Modifier (such as "Extra Bacon" for $1.00), the price will be added to the order.

    Select Plus then the Modifier, and this will also add a price.

    Tap No then theModifier, and this will NOT add or remove pricing from the Order.

    Select Side then the Modifier, and this will NOT add or remove pricing from the Order. This option is meant to designate an ingredient/item already included in the order as "On the Side".

    Clear will clear the Optional Modifier choices from the Order.

    Once all modifications are complete, the Optional modifiers will display on the screen to the left. Push the "Save Changes" button to return to the Order.

    3.The +/- option allows a user to increase/decrease the Item quantity.

    4. The Keyboard allows a user to type in any notes for the Order.

    5. Once all selections are complete, the order will be displayed as follows. If further changes need to be made, one can simply select the order item to navigate back to the modifier page to make adjustments.

  • What is the difference between Terminal and Tableside Mode?

    Lavu's POS is comprised of two Service Modes with distinct variances in functionality. The Service Mode is selected at the time of login and will dictate the availability of particular features.

    Terminal Mode - This mode allows users to apply payment and close completed orders via the Checkout Screen. Terminal devices also have access to the full suite of Lavu tools including Manager Functions, Server Functions, Register Functions and Printer Setup.

    Tableside Mode - Devices logged into Tableside will be able to create orders and send them to the kitchen, bar or service counter for preparation. As the title implies, Tableside Mode enables servers on the floor to enter customers orders on the fly with a handheld iOS device rather than returning to a Terminal station with handwritten notes between each table. Accordingly, Tableside does not permit access to the Checkout Screen or the expanded functionality cited above.

    Note: While iPhones and iPods are treated as Tableside devices by default, these devices DO have access to the Checkout Screen and the ability to apply payments. The login process on these devices does not prompt for a selection of Terminal or Tableside Mode as is the case with iPads.

  • Tab preauthorization is a function built into Lavu that allows users to authorize credit cards for a predetermined amount when creating a new tab. The card itself may then be returned to the customer right away, with future payment of the bill guaranteed by the preauthorization (preauth) stored in the POS. When the customer is ready to pay their tab, the preauthorization may be captured for the full balance from the Check Out screen without re-swiping the credit card.

    Note: The amount for which all preauthorizations will be run (as well as other settings that affect tab preauth function) may be set in the Control Panel by managers with access to the Admin portal.

    Tab preauths are most commonly used by bar locations, though any restaurant that incorporates the Tab Layout into their restaurant service workflow may benefit from preauthorized transactions.

    CREATING A TAB PREAUTHORIZATION

    1. From the Tab Layout, tap green circle Add button.

    2. When the New Tab dialog box appears, tap the switch to activate the authorization action. The switch should turn green when it is activated (see below). Then, swipe the customers credit card.

    3. The Tab Layout screen will move to the Order Screen upon successful preauthorization. With no items yet added, it will indicate that the order is Overpaid in the amount of the preauthorization.

    CAPTURING A PREAUTHORIZATION

    1.Add items to the order as with any normal tab until the customer is ready to settle their bill.Take the order to the Check Out Screen.

    2. Tap the PreAuth with Card payment line in the order pad.

    3. Select "PreAuth Capture".

    4. Tap Yes to confirm the capture send for the full balance of the order.

    5. A dialog box will affirm successful authorization capture. Tap "Continue".

    This will auto-close the check and your screen will move to a fresh Order Screen upon successful capture.

  • A void is used to reverse an applied payment, removing it from the order. While all voids are tracked in the Action Log, in practical terms a void will nullify a transaction as though it never happened, with no indication of the original payment remaining on the order itself.

    While the rules can vary depending on the integrated processing partner, generally speaking credit card voids can only be carried out on same day transactions in an open CC batch; on subsequent days after batch closure, processing gateways will require that a refund be executed rather than a void.

    To process a payment void, the order containing the transaction must first be called up. If the order is still open it may be accessed from the Tab/Table layout or Open Orders. Orders that have been previously closed need to be reopened before a void can be initiated.

    From OPEN ORDERS

    1. From the hamburger button, Tap theOrdersbutton.

    2. Make sureOpen orders are showing.

    3. Locate the correct order from the list of open orders and tap to select it.

    4. Press the pencil icon to go directly to the Order Screen.

    From CLOSED ORDERS

    1. Tap the Closedbutton.

    2.Locate the correct order from the list of todays closed orders and tap to select it.

    3. Press Reopen Orderand confirm by tapping "Yes".

    VOIDING A TRANSACTION

    4. Take the order to the Check Out Screen.

    5. Tap on the payment that needs to be voided.

    6. Tap "Void Transaction" ("Process Refund"for cash payments).

    7. Enter a reason for the void. Tapping "Continue" will finalize the void command.

    8. If a void is carried out on a previously closed order, the order must be manually re-closed after the balance is settled. Do this by tappingVoidthenYesto confirm void.

  • To correctly prepare items, the kitchen must receive copies of each order's contents. Orders are sent to the kitchen based on their printer designation in the Control Panels Menu.

    1. Create a new order.

    Advanced Location Settings

    2. Select items to add to the order.

    3. Press the Send button.

    Using ACTIVE COURSES

    For restaurants whose operations include multiple meal courses, the Active Course function may be enabled from the Admin Control Panels Advanced Location Settings. This feature allows users to apply a distinct course to order items and send them to the kitchen separately for timely preparation.

    The Active Course (enabled in the Control Panels ) can be used to separate orders or send items to the kitchen at different times.

    1. Create a new order.

    2. Select items to add to the first course of the order.

    3. Press the Send button.

    4. When the first course is completed and new items will be ordered, select the Active Course icon before ringing in the new items.

    5. Choose the appropriate course number.

    6. The courses will display above the items.

    7. Press the Send button to display course send options.

    8. Select the appropriate option to send it to the kitchen.

  • Lavus Discount function is available from the Check Out screen only. Discounts serve to reduce the price of an individual item or an entire check, affecting the total balance due for an order.

    Depending on the level at which a discount is used (check or item), certain conditions apply:

    Check Discounts - Only one (1) check-level discount can be applied per check. Split checks within a single order are independent of each other and may each have their own check discount. A check discount can also be applied on top of item-level discounts already in effect.

    Item Discounts - Each individual item in a given order can only have one (1) discount applied to it. However, multiple item-level discounts may be used on a single order when applied to separate items.

    Discounts may be calculated as either a percentage of the original price or a fixed amount. To prevent the application of discounts that exceed the value of their targeted price, amount-based discount cannot be assigned to an item or check whose total price is less than the amount of the discount.

    In addition to the default Percentage and Amount discounts, account Admins can create and modify custom Discount Types from the Control Panel.

    Applying a Check Discount

    1. Create an order and take it to the Check Out screen.

    2. Tap DISCOUNT.

    3(a). In Lavu POS version 4, the list of check discounts available will appear depending on the users Access Level. To apply a discount restricted above the current users Access Level, the server must Exit Server and a Manager of the appropriate Access Level must PIN in.

    Tap the appropriate discount to apply to the entire check. Default discount types for Percentage and Amount appear at the top, followed by custom Discount Types.

    3(b). The list of available check discounts appears depending on the Access Level of the PIN entered. In this case, a custom discount has been selected titled "Military" discount.

    4. The entire order will be discounted according to the amount or percentage defined under custom discount created in the Control Panel. Below, the discount shows the percentage of the discount subtracted from the original subtotal, in addition to the subtotal after the discount was applied.

    5(a). Alternatively, customers are able to create their own custom discounts for either predetermined dollar amounts or percentages. In this case, Percentage has been selected. The list of available check discounts appears depending on the Access Level of the PIN entered. In this case, a percentage discount has been selected.

    5(b).Enter thePercentage Amounton the virtual keypad and Tap the green arrow.

    5(c).Input a Reason for Discount, and select Continue.This reason can be referenced in the Discounts report.

    5(c).The entire order will be discounted according to the amount or percentage defined under custom discount created in the Control Panel. Below, the discount shows the percentage of the discount subtracted from the original subtotal, in addition to the subtotal after the discount was applied.

    Applying an Item Discount

    1. Create an order and take it to the Check Out screen.

    2. Tap the item to be discounted.

    3. Tap Discount Item.

    4(a). In Lavu POS version 4, the list of item discounts available will appear depending on the users Access Level. The list of available item discounts appears depending on the Access Level of the PIN entered. In this case, Percentage has been selected.

    4(b).Enter thePercentage Amounton the virtual keypad and Tap the green arrow.

    4(c).Input a Reason for Discount, and select Continue.This reason can be referenced in the Discounts report.

    5.The item will be discounted according to the amount or percentage defined under custom discount created in the Control Panel. Below, the discount shows the percentage of the discount subtracted from the original subtotal.

    Voiding Discounts

    1. The process for voiding item and check discounts is nearly identical. Tap on the line item of the discount that needs to be voided.

    2. A box will appear containing options to Void Discount or modify the Discount Reason for reporting purposes. Tap Void Discount to remove the discount.

  • Cash Reconciliation is designed for the benefit of locations that record cash transactions to a static register/receipt printer. Accordingly, multiple servers may input cash transactions to a single Cash Reconciliation using the same register. This is distinct from the Server Reconciliation, which is designed for use by servers who carry their own individual bank rather than using a register.

    Cash Reconciliation balances all register transactions to determine the cash on hand. It will calculate the paid cash orders, paid in/out transactions, and tip payments to servers. Once the Till In and Till Out are performed at the beginning and the end of the day, respectively, the Till Summary shows if the register is properly balanced. Cash Reconciliation options for adding and subtracting rules can be configured in the Advanced Location Settings.

    1. Tap the hamburgerbutton in the bottom left corner of the iPad screen.

    2. Tap Functions.

    3. Tap Management Functions.

    4. Tap Management Tools.

    5. Tap Cash Reconciliation.

    6. Tap Till In.

    6. Enter the starting cash amount (total number of each bill or coin value, not the monetary value) then tap Submit at the bottom.

    7. At the end of the shift, return to Cash Reconciliation and tap Till Out.

    8. Enter your ending cash amount (total number of each bill and coin value, not the monetary value) and tap Submit at the bottom.

    9. Tap View Till Summary to see the Till Report on the iPad or tap Print Till Summaryfor a hard copy.

    10. The Till Summary screen or printed Till Report will display how short/over the register is and what is owed to the house.

  • Voids/Refunds

    Voids are performed prior to batch settlement. You do not need the card present to do this.

    Refunds are performed after batch settlement.

    Manually entered transactions can be refunded immediately after batch settlement and require card information.

    Transactions processed on the Bolt reader can be refunded 24 hours after batch settlement and do not require card information.

    Unbolted

    You will only see the message unbolted if the network connection is not working.

    If the second, troubleshoot your network. Are you able to access the internet on other devices? Check the cables both to the Bolt and to the router. Ensuring that your reader has access to the internet will fix this problem.

    You may need to unplug the reader from the power supply and then plug it back in for the network connection to pick up after you correct the cables.

    http Error

    This error requires assistance from Lavu Support. Please contact our team and inform them that you have an http error.

    A Transaction Will Not Run

    Ensure that you have paired with the correct terminal.

    Ensure that your reader says bolted.

    Double check your settings in the Lavu control panel.

    Cannot Void/Refund

    You cannot void after the autobatch time. Process a refund instead.

    Refunds for Bolt transactions will need to be run 24 hours after the autobatch time.

    You can void and refund transactions through Card Pointe.

  • Pre-authorization, or Pre-auth, is used to place a hold on a pre-determined amount of money in your customer's account. It also creates a pathway to your customer's bank which means that at the end of the meal you can re-run the transaction for the correct amount without having to run the physical card. You simply capture the authorization.

    Bolt Voids, Refunds, and Batching

    You are able to use pre-auth with the Bolt EMV reader with a few stipulations:

    You must be careful with Tip Entry. Tapping or clicking theSubmit button will close out all of your pre-auth transactions, even if you have not yet added the tip amount to it. There are detailed instructions on how to avoid this in this article.

    Orders whose final amount is theexact same amount as was run in the pre-auth will automatically close when you take them to the checkout screen. At that point, you will need to reopen the order, take it to checkout, capture the authorization, and then re-close the order.

    You should not participate in the CP4 beta while using pre-auths with the Bolt reader.

    You must capture authorizations for the entire day using the Control Panel every day.

    Settings

    Navigate to Settings > Card Integration

    Set your Default transaction type to Auth

    Scroll down to the Lavu Integrated Payments Settings

    Set the Tap PreAuth Capture front end workflow to Rely solely on backend capture

    App Workflow

    Step 1

    Open the Tabs service type and create a tab

    Tap the green button on the reader to confirm pre-auth amount

    Swipe/insert the card and wait for pre-authorization

    Add items to the order

    Save the order or Send it to the kitchen

    Step 2

    Take order to Checkout when ready

    Tap Capture Authorization in the order pad

    Follow the prompts

    Tips when using Pre-Auth

    WARNING

    Tip entry in the app when using pre-authorization is handled the same as in any other scenario EXCEPT for you must not hit Submit until every last order has had its tip entered. Hitting Submit prior to this point will close out all pre-auth transactions in your account and require that you adjust tips on the remaining transactions using the CardPoint portal.

    Tips can be entered through the app and through the control panel. Review the Tip Entry for Bolt article for assistance with this.

    Capture Authorizations

    You must capture authorizations in the Control Panel at the end of the day. This must be completed before your autobatch time and after you have entered all tips for the day.

    Navigate to V1 End of Day report

    Scroll to the bottom and select All Users

    Confirm tip amounts

    Click Submit Tips/Capture Authorizations

    Tips can be entered in the Server Tips area of the app and in the Lavu CP End of Day V1 reports or the new Lavu CP End of Day Module. They can also be entered at the time of sale when using sign and tip on screen.

    Setting up the BOLT Reader

    The BOLT reader is plug and play in that it is super easy to set up. Follow these instructions in order for the easiest setup.

    Unbox the equipment

    Connect the Bolt network cable to an open port

    Connect the Multipoint Interface Cable (power cable) into the Multipoint Port on the back of the Bolt P2PE.

    Wait for the reader to say Bolted.

    Unbolted Message

    Does your reader still say 'Unbolted' even after you have connected it to the network? This means that it does not have a connection to your network/internet.

    Unplug the power and then plug it back in. Give the reader a few moments to register the network connection.

    Ensure that your network is connected to the internet by opening a browser window and performing a quick search.

    Try switching to a different port.

    A member of the onboarding team will help to onboard the reader to your account and ensure all of your settings are correctly configured. You can:

  • Section 5.1: Credit Card Integration - Integrated Gateway Information

    Lavu POS allows for credit card integration via compatible Gateways. It is important to note that each compatible Gateway is integrated with specific credit card swipers and requires different Integration Data to work with Lavu POS. Contact the gateways below for more information concerning their fees (Lavu POS charges no fees for credit card integration) and to acquire the Integration Data necessary for credit card integration.

    SPECIAL INFORMATION ABOUT THE GATEWAYS

    Credit card batches run from Batch Settlement to Batch Settlement and do not necessarily line up with the date or the day start/end time. A merchant set up for manual batch settlement may keep a batch open for several days, though it is recommended that the batch be settled at least once a day. In case a merchant does keep a batch open for more than one day and wants to be able to submit tips, all tips for all days must be submitted before the batch is settled in order for the tips to be processed.

    For instance, if a batch is left open from August 12th to August 15th, pressing the "Settle Credit Card Batch" while on the End of Day screen for the 12th after submitting the tips for the 12th will settle all the transactions that occurred from the 12th to the 15th, not just the transactions from the 12th. All the transactions from the 12th to the 15th belong to the same batch. The tip adjustments must first be submitted for the 12th, 13th, 14th, and 15th before settling the batch in order for the tips to be processed.

    Any clients using Auth as the default transactions must be sure to submit captures for all their transactions each day prior to submitting the batch for settlement. Failure to do so will result in transactions being left off of the batch, and the funds will not be transferred. To ensure that all transactions are submitted for capture each day, the owner or a store manager should go to the All Users detailed End of Day report and click the "Submit Tip Changes / Capture Authorizations" button at the bottom of the page. This action should be included in the daily or nightly routine prior to the daily or nightly batch settlement.

    PREFERRED GATEWAYS

    --- PayPal ---

    Lavus integration with PayPal as a CC gateway and processing platform does not require entry of any integration data as is the case with other preferred gateway partners. Instead, PayPal integration is handled from the Extensions area of the Admin Control Panel through a simple guided onboarding process.

    Compatible Card Readers: PayPal Miura EMV Reader (Sale only), Magtek iDynamo (Sale OR Auth, non-EMV)

    Settlement: Transactions are settled and migrated to the merchants PayPal account upon completion of the sale. The funds are available immediately via PayPal and a sweep of completed transactions from PayPal to the merchants bank account is conducted daily at either 5 PM or 12 AM PST. The availability of swept funds varies depending on the banking institution, but may be accessible as soon as 24 hours after transfer.

    Tips: In accordance with EMV processing rules, tips must be added to transactions processed on the Miura EMV reader at the time of sale. Tip adjustments after payment are not supported.

    Auth transactions are supported for the Magtek iDynamo. PayPal does not permit tab preauthorizations. Because the Miura reader only supports Sale transactions, merchants whose transaction type is set to Auth cannot also utilize Lavu + Paypals EMV solution.

    --- Vantiv (Mercury) ---

    The primary merchant account cannot be used to process both keyed-in transactions and End-To-End Encryption (using iDynamo swipes). Keyed-in transactions must then be processed through Vantiv's Hosted Checkout system, which requires a separate set of credentials.

    Supports Tip Adjustments (Adjusts) for Sale transactions and PreAuthCaptures for Auth (PreAuth) transactions. The value to use for the default transaction type when a merchant wants to be able to perform tip adjustments may depend upon the processor, merchant service provider, or bank being used by the merchant. Vantiv should advise.

    Credit card batch is held by Vantiv's system. The merchant has the option of having the batch automatically settle at a certain time each day or to be manually settled by the merchant at the merchant's discretion. Some processors may not support manual batch settlement.

    The batch is manually settled when the back end user presses "Settle Credit Card Batch", at which point a CaptureAll (BatchSummary & BatchClose) is sent to Vantiv.

    The Hosted Checkout batch is separate from the primary batch but runs parallel to it, so any manual batch settlement requests will be sent for both when the end user presses "Settle Credit Card Batch". In case the merchant opts for auto batch settlement, the time of settlement should be the same for both batches.

    --- BridgePay (TGate)---

    Quicktip Buttons can be programmed for easy selection by the customer on the signature capture screen in the POS Lavu app.

    CONFIGURING QUICKTIP BUTTONS:

    1. Log into the Admin Control Panel at cp.poslavu.com.

    2. Click Settings. Click Payment.

    Tax Profiles must be created and applied to Menu Categories or Menu Items for tax to be charged to orders.

    Tax Profiles can consist of:

    A single tax

    Multiple taxes

    A SINGLE TAX:

    2. Click Settings. Click Payment.

    Stack - This is highly uncommon in the United States. When selected, the first tax listed in the tax Profile will apply to the original subtotal and create a new subtotal. The second tax in the Tax Profile will then apply to the NEW subtotal. This process will continue for each tax listed in the Tax Profile.

    10. Select whether the tax will Tier by Subtotal or No Tier from the second drop-down.

    No Tier - This is the standard for most locations worldwide.

    Tier by Subtotal - This is HIGHLY uncommon in the United States.

    MULTIPLE TAXES:

    Many locations must charge multiple taxes to their entire Menu or specific Menu Items (i.e. alcohol). The Tax Profile makes applying multiple taxes very simple.

    For locations that require more than one tax to be charged on specific items, two Tax Profiles will be required. The first Tax Profile will contain the primary tax that applies to a majority of the Menu. A second Tax Profile, containing multiple taxes, will be necessary for those special Menu Items.

    For locations that require multiple taxes to be charged on the entire Menu, one Tax Profile will be required.

    After creating the first tax within a Tax Profile (see above), create the second tax.

    1. Repeat Steps 6 - 17 from above.

    Scheduling is used to create a user's schedule so that youcan more easily manage staffing needs. Learn about creating and editing users first. The Schedulingfeature allows youto:

    Create/Edita users schedule.

    Duplicateone weeks schedule to another week.

    View schedules by Employees, Class, or individual employee.

    1. Log in to the Control Panel at cp.poslavu.com and navigate toWorkforce>Scheduling.

    CREATE / EDIT A SHIFT:

    1. Select the Week range and date for the shift. Use the < and > icons to change the week range.

    2. Click +New Shift.

    3. Select anEmployeefrom the drop-down menu.

    Additional employees can be added to the shift. Just click + Add employee and another Employee drop-down list will appear.

    4. Select a From time. Start typing and thenclick the appropriate time on the drop-down list.

    Additional employees can be added to the shift. Just click + Add employee and another Employee drop-down list will appear. You can also select the Class for an employee that has been assigned to more than one class. This will help you ensure that you have chosen the right people to fully staff each shift.

    5. Select a To time. Start typing and thenclick the appropriate time on the drop-down list.

    6. Click Add shift when you have added the employees you want on this shift.

    7. The newly created shift is displayed. This example shows a shift View by Employee.

    You can also view the shift by Class.

    You can also view an individual employee's schedule for the selected week range. Just select their name from the Employee drop-down list.

    DUPLICATE A WEEK:

    1. When you have completed the schedule for one week, you may want to duplicate that schedule for the next week. Select the destinationWeek rangewhere you want the duplicated schedule.

    2. Select Duplicate a previous week from the Actions drop-down.

    3. Select the week you want to duplicate (copy into the week selected in Step 1) and click Copy schedule.

  • This article will demonstrate two features of the Lavu POS 4 App: Searching Orders and Order Filters. These features are useful when voiding and refunding payments. Search and filters are available for closed, open, and voided orders.

    On the Lavu POS 4 App, tap the hamburger menu icon, on the bottom left of the screen.

    Tap Orders.

    The order screen will open. From here you can select Open, Closed, or Voided orders.You can then enter an order # or the last 4 digits of a credit card number to find a specific order.

    You can sort the list or add filters to narrow the search (reduce the number of orders listed on the screen).

    If you choose sort, you'll be presented with these choices:

    If you choose Filters, you'll be presented with these choices:

    You can scroll down to see more order type choices, tap the X to return to the Orders screen, or tap the filters you need to narrow the search.

    You can narrow the search to a particular server, or a group of servers. The sample screen below shows Donatello selected. There is a convenient Select All button to widen the search to all servers.

    Tapping DONE, when you're finished setting the Filter orders by server, will initiate the search of orders for the selected servers, and display the results on the orders screen. Tap the <-- icon to return to the Orders filter screen to select other filters.

    Select a choice for Filter by Date range. You may be able to narrow the search significantly if you know the date range of the order. If you select Custom for the date range filter, the following screen will appear.

    Today's date is marked with a dot. Swipe downward to see past months. Tap Start date, then tap a day on the calendar to set the start date. Tap End date to select the end date of the date range. Tapping DONE will run the search. The Orders screen will open showing the results. Tapping the <-- icon will bring back the Order filters screen to select additional filters.

    Select the Order Types you would like search. The choices are:

    To Go

    Catering

    Dine In

    Tax Exm

    Online

    Tap DONE, when you're done making filter selections, to return to the Orders screen displaying the filtered list of orders. When you find the order you were looking for Tap it to display the order.
