    In this commitment, references to Application Services are referring to the whole suite of software that Kuali provides on a software as a service basis: Kuali Financials; Kuali Research; Kuali Curriculum and Catalog Management; Kuali Build, and Kuali Ready (Continuity Planning). Other terms used in this commitment are defined in the Definitions section at the end of this document.We will update this commitment from time to time as things change and will notify customers any time we do. You can always find the latest version of this commitment on the Kuali Support Page ( http://kuali.co/support ). All Kuali documentation and support is provided in English.

    Definitions

    For the purpose of this commitment, the terms below have the following meanings:

    "Designated Representative" means designated customer administrators and support representatives.

    "Disaster" means an event that causes disruption of operational capabilities that renders Your production Application Services unusable for a 24 hour period.

    "End User" means any of your faculty members, students, staff, employees or agents whom you have authorized to access and use the Application Service.

    "Feature Request" means a request to incorporate a new feature or enhance an existing feature of the Application Service that is currently not available.

    "Impact" means the classification or priority of your Support Request which is used to establish target response times and how the issue is managed.

    Monthly Uptime means the total number of minutes in a calendar month minus the number of minutes of Scheduled Downtime, minus the number of minutes of Unscheduled Downtime in a calendar month, divided by the total number of minutes in a calendar month.

    Scheduled Downtime means periods of time Application Services will be unavailable to You for routine maintenance.

    "Support Request" means a request from you to us for support to resolve a question or problem regarding the Application Service.

    "Support Service" means our normal provision of advice, direction, and support via telephone and email regarding the Application Service, which we will provide in English.

    Unscheduled Downtime means any period during which the Application Services are unavailable to you other than Scheduled Downtime.

    Use of Kuali Support Services

    Our Responsibilities

    We will make all reasonable professional efforts to:

    Provide support services as described in this commitment 24 hours a day, 7 days a week, 365 days a year.

    Respond to customer support requests within the target response times.

    Keep application services up to date.

    Provide current and relevant online self-help tools for end users and administrators.

    Your Responsibilities

    You are responsible for:

    End users compliance with the terms of service, the Kuali Master Subscription Agreement and any other applicable or appropriate agreements.

    Use reasonable efforts to fix errors, configuration problems, malfunctions, or network connectivity issues without escalation to us.

    Work collaboratively with Kuali support staff to resolve support requests by providing timely responses to inquiries from our support staff.

    Note that despite our best efforts, we may not be able to provide answers to, or resolve, all support requests.

    Services Not Provided as part of our Support Services

    Some services are not provided as part of our support services and may require a separate work order. Examples include:

    Direct support to customer end users.

    Data migration issues.

    Requests for integration with 3rd party capabilities & services.

    Usage of the application services not consistent with the intended functionality of the application.

    Assistance understanding data relationships as presented in the database schema documentation in order to write or format queries.

    Non-supported 3rd party tools used with application services.

    Issues arising with products hosted by a third party unless optional support is identified in the Kuali Master Subscription Agreement.

    Issues known by us not to be related to the application service itself.

    Any data or file restoration that requires accessing backup databases or file systems will be evaluated on a case-by-case basis.

    Customers Designated Representatives

    You may designate up to 3 individuals per Product Family (Research, Curriculum and Catalog Management, Financials, Ready, Build) for the purposes of initiating support requests, and you may designate substitutes as needed. These designated representatives should be staff members who have been trained as application service administrators. Designated representatives will have the ability to initiate support requests as described in this commitment.

    Support Window

    Designated representatives may contact us with a support request 24x7x365 using our Customer Support Portal. Please see the Support Request Impact and Urgency section below for further detail.

    Support Request Impact and Urgency

    You will designate the impact level for each support request. Upon receiving a support request from your designated representative, we will begin evaluating the request and will respond within the target response time for the designated impact level. If we have any questions about the impact level assigned to your support request, we will work with you to come to an understanding with the appropriate designation.

    The service is unusable OR the majority of end users cannot access the service, OR a portion of the service is unusable causing severe and lasting business impact.

    Within 30 minutes of request submission.

    High

    The service is materially impaired but is still functional.

    Within 4 hours between 7AM and 7 PM Mon-Fri US Mountain Time, excluding Federal holidays.

    Normal

    The service is partially impaired, but workarounds are in place OR the service is functionally usable, but information, assistance or a new product feature is requested.

    As soon as possible between 7 AM and 7 PM Mon-Fri US Mountain Time, excluding Federal holidays.

    Our approach to resolution depends on the designated Impact of a request. We will use every professionally reasonable means to resolve support requests as quickly as possible.

    End User Support

    We provide support for customer end users only through self-help mechanisms such as our online knowledge bases and/or community forums which are available on our Customer Support Portal. Use of Kualis support portal for help ticket submission is limited to your designated representatives. You are responsible for responding to any questions and requests by end users or other third parties relating to end users use of the application services, with such support to be provided by your personnel at your expense.

    Backups and Business Continuity

    For details, refer to our Kuali Security, Engineering, and Operations documentation (can be provided upon request).

    Maintenance

    Default Maintenance Windows

    In most cases, maintenance has limited or no negative impact on the availability and functionality of the application services. Unless otherwise arranged, these are our standard maintenance windows for customer Production and Sandbox (SBX) environments:

    Ready, Build, Curriculum and Catalog Management, Research COI and Research Protocols:

    Once tested and functional Kuali Ready, Build, Curriculum and Catalog Management, Research COI, and Research Protocols use a continuous change delivery model where changes are deployed through staging to production. Continuous changes are those where stable automated testing and deployment processes manage the commits, including critical platform updates as well as configuration and code deployments.

    Research Sponsored Programs:

    For Research Sponsored Programs, the delivery of changes are staged for deployment at the following times:

    5:00 PM (1700) US/Mountain Daily - Changes are committed to Staging environments.

    8:00 PM (2000) US/Mountain Daily - The same changes validated in Staging are committed to Production environments.

    Financials:

    For Financials, the delivery of changes are staged for deployment at the following times:

    5:00 PM (1700) US/Mountain Thursday - Changes are committed to Staging environments.

    8:00 PM (2000) US/Mountain Thursday - The same changes validated in Staging are committed to Production environments.

    Standard Change Window

    We also have a Standard Change window which is reserved for updates that cannot fit the Continuous Change cycle. This is a standing maintenance window each month:

    Production: 3rd Sunday, 5:00 AM (0500) to 9:00 AM (0900) US/Mountain.

    Non-Production: Thursday before the Production window, 12:00 PM (1200) to 5:00 PM (1700) US/Mountain (stage, demo, and sandboxes)

    Development: Wednesday before the Production window, 12:00 PM (1200) to 5:00 PM (1700) US/Mountain (test, and other product development)

    Any outage that happens within these defined windows is not considered a service outage.

    Emergency Maintenance

    We may perform unscheduled emergency maintenance at any time. If we expect unscheduled emergency maintenance to negatively affect the availability or functionality of the Application Services, we will use professionally reasonable efforts to provide advance notice.

    Feature Requests

    Your designated representatives may request a new or enhanced product feature by submitting a support request through our Customer Support Portal. If we deem a support request to be a feature request, we will proceed as follows:

    We will work with the customer to understand the business needs behind the request.

    We will partner with the customer to explore existing options in the software that might accommodate the business needs.

    If we decide to proceed with the Feature Request, we will consult other customers to ensure that the solution we provide considers all institutional profiles and best practices.

    We will then prioritize the Feature Request based on your needs, Kualis findings on applicability to other customers, and other prioritized work in the development queue.

    If you require that a Feature Request be resolved on a different schedule than overall priorities dictate, please know that there may be a charge for development.

    Saas Service Level Agreement (SLA)

    This SaaS Service Level Agreement (SLA) is incorporated by reference into the Master Subscription agreement. This Agreement was last updated on February 27, 2018. It is effective between You and Us as of the date of Your accepting this Agreement.

    Application Services

    Service Availability Commitment. Subject to your performance under the Agreement, including without limitation the timely payment of Fees, we will use our commercially reasonable efforts to make Application Services available for use by you and End Users at least ninety-nine and nine-tenths percent (99.9%) of the time in any calendar month, exclusive of Scheduled Downtime. In any month where Application Services are not available for use by you and your End Users as provided above, you will be eligible to receive a reduction in price of the otherwise applicable Fees for Services for the immediately following month (Service Credits) as provided in this SLA.

    Your Data. You own your data. We just make it easy for you to collect, use, and share with individuals you designate. More information on requesting copies of your data can be found in your contract.

    Standard Data Protection and Archive Retention. We will: (i) mirror your production data, no less than once a day, to a cloud storage service that is geographically remote from our primary data center; and (ii) upon the occurrence of a Disaster, use reasonable business effort to provide a production operating environment for your application as soon as possible.

    Optional Service Level Additions

    If we have agreed to provide Optional Service Level Additions pursuant to the corresponding Proposal, then subject to your performance under the Agreement, including without limitation the timely payment of Fees, we will: (i) provide the Standard Data Protection and Archive Retention services described above; and also (ii) provide the following optional Services as described in the corresponding Proposal.

    Business Continuity Protection. We will: (i) mirror your application and corresponding data, no less frequently than one (1) time each day, to a cloud storage service that is geographically remote from our primary data center; and (ii) upon the occurrence of a Disaster, provide a production operating environment for your application within twenty-four (24) hours after the disaster event.

    Advanced Archive Retention. We will archive your data, one (1) time each week within a fifty-two (52) week window, to a cloud storage service that is geographically remote from our primary data center. The advanced archive retention service includes one data restore from the archived data, to a temporary application environment. Additional restoration services require a separate services agreement.

    General Provisions

    Service Credits. In order to receive Service Credits, you must notify us within thirty (30) days from the time you become eligible to receive a Service Credit. Failure to comply with this requirement will forfeit your right to receive a Service Credit.

    Maximum Service Credits. The aggregate maximum number of Service Credits to be issued by us to you for all Unscheduled Downtime that occurs in a single calendar month will not exceed fifteen days (15) days of Service to be credited against Fees otherwise due during the immediately following month. Service Credits may not be exchanged for, or converted to, monetary amounts.

    Product Updates

    More than 40 institutions now have access to Ready 2015! If you havent requested access, please complete the questionnaire so we can get you set up. Shibboleth setup is pretty simple and several institutions are already up and running with it. Heres a brief overview of the new product.

    Were finishing up building the migration tool so institutions using the old version will be able to easily transfer all their content to Ready 2015. Well begin testing with institutions the first week in July and it should be ready for everyone shortly after that. If you completed the form requesting access and indicated youd like us to migrate your content, well be reaching out. After we complete the migration tool, our next focus is on designing a way for you to add your institutional logo.

    The old version of Ready has several places to add a logo, but institutions have to request support to get that set up or make changes. Wed like you to be able to manage your own logo image. Weve also reduced the number of screens it takes to get to the Plans screen, so theres no longer a splash screen. Check out this screencast that explains a few of our design options. Keep an eye out for an email invitation to a webinar in mid July, where you can view design options and share your opinion.

    Admin Tips

    Here are just a few helpful tips for Ready Admins.

    The migration tool will migrate your content from the old system into Ready 2015. Ifyou'vebeen playing in the new system and adding content, youll have a chance to delete it so youdon'tend up with duplicate information.

    If youre using Kuali Ready 2015, check out the new Plan Contacts section in your plans. You can edit it from the link in the left navigation within your plans, as well as view it on-screen and in the plan .pdf.

    Works in Progress

    Were taking a look at how the system handles dependencies. We know those relationships are critical to planning success, and weve gathered a lot of feedback about how we can improve on the old system. Well be reaching out to gather more feedback later this summer.

    The community of Ready subscribers is growing! This year weve welcomed University of Tennessee, Boise State University, Texas A&M Corpus Christi, Cal State Long Beach, Case Western Reserve University and George Mason University. Our sales team is currently working with about a dozen institutions at various stages of evaluating Ready.     Product Updates

    Were delaying rolling out the Ready 2015 migration tool a little longer, but hope to complete it this month. Were adding another developer so we can work on migration at the same time as other improvements. In particular, we intend to put effort into:

    Action items: We didnt include the Action Items Summary page in Ready 2015, because you can view all the action items in the onscreen plan view. We now realize many people add Action Items directly on that screen, not in the individual plan sections. Well add this functionality back and make some improvements at the same time.

    List sorting: Lists are sorting alphabetically by default, which doesnt work for things like Critical Functions and Key People. Well get that fixed.

    Invite Users: We need to add the ability to invite users whodon'thave accounts.

    Plan view/PDF: Were going to make some improvements to the plan view and PDFs based on some feedback weve received. Thanks for all your suggestions!

    Admin Tips

    Here are just a few helpful tips for Ready Admins.

    We posted a short slide presentation on the Help Portal. Theres a link to the Google slides below the preview. Feel free to download a copy of the presentation to revise and remix if you think it might help with educating your stakeholders.

    Theres a link to a screenshot gallery in the Help Portal. The gallery is hosted on Google drive and we try to keep the images updated. You can download them and use them in your training materials.

    Weve got a new team member focused on business intelligence and analytics across the Kuali products. Well be working on improved solutions for activity logging and reporting. Well keep you posted as things progress.

    With increased interest in Ready, weve decided to add some additional sales and marketing support, which will help the product team focus more on migration and enhancements. We also hope to add a team member focused on product demonstrations.

    30 people attended the Kuali Ready 2015 Tour and Subscriber Q&A webinar we hosted on the 17th. If you were unable to attend, you can still catch the recording or view the slides. (Please note were now expecting the migration tool in August, instead of July as mentioned in the recording.)

    We attended the SCUP 50th Anniversary event July 11-15 in Chicago, IL. While the focus was on strategic planning, the Integrated Planning approach promoted by SCUP seems like a wonderful opportunity to incorporate Continuity Planning. If your leaders have embraced this approach, you might find champions for your Continuity Planning efforts by aligning with their Integrated Planning goals.

    Product Updates

    The Migration Tool has been added to Ready 2015 for those whove requested it. If you have not yet requested access to Ready 2015, please contact [email protected] and request access to your account. Canadian institutions interested in migrating to Ready 2015 (US hosted) are encouraged to do so. Well work with the University of Toronto to migrate your content.

    Admin Tips

    If you are currently using US hosted Ready 4.0.13, you will need to migrate to Ready 2015. We do not have a cut-off date for migration, but will encourage everyone to move as soon as possible, as we will no longer be updating the old version. Please review these migration resources to help you prepare and make decisions that work for your users.

We released a blog post this week about 5 bad excuses for weak continuity planning. You can also download a PDF version from the Help Portal to share with colleagues.

    Were exploring options to improve the Activity log functionality in Ready before we add it to Ready 2015. If you have suggestions or feedback on improvements, wed love to hear from you. Wed like to make it easy for you to view and download the data, but we could also integrate technology that would provide versioning capabilities on plans.

    Save the date! Kuali Days 2016 has been announced. The event will take place in San Diego, CA, during the week of November 14th. I am looking for 1-2 people who are willing to co-chair the Ready track with me this year. You would be reviewing session proposals and making recommendations about themes and generally helping to make this year a huge success. I have a few interested people but no commitments yet.     The Migration Toolis currently off for all users. We have received, reviewed and prioritized responses from many of you regarding your migration experience (Shout out to Donna Singer of Ramapo College of New Jersey for sharing her detailed notes.). We are diligently working to resolve critical issues and make the migration process as stable as possible going forward. Right now I don't have a firm date as to when we will turn on migration capabilities again. If you have additional questions, please contact [email protected] and let me know how I can help.

    Part of the reason we are holding off on turning on the migration tool is to complete some design updates for the product. We want to solve two problems:

    making the navigation as clear and intuitive as possiblehow to preview information (edit vs. view modes)

    Product Updates

    New PDF generator and layout enhancements: The new PDF generator allowed us to enhance the PDF presentation to include tables and guiding lines for clarity and to fix minor errors in font size, spacing, text wrapping and page breaks.

    Role based view of plans: System users are now only able to see the plans that THEY have access to. This addresses privacy concerns some institutions have shared. If a user has access to NO plans they will see this page:

    Here is a recap of the roles just FYI:

    system viewerssee the content of all plans but cannot edit themsystem adminssee the content of all plans and can edit themsystem usersonly see plans they have access to but can create their own plans. Within a plan they can have one of the following roles:plan manager: created the plan, can add other managers, can edit the planplan editor: can edit the planplan viewer: can view the planAwaiting moderation status (direct authentication, full moderation only): If a user has requested an account and has successfully signed in but their account has not yet been moderated, they will see this updated screen. This will help users know that they need to wait for admin approval before working in the system. Patience is a virtue.

    Confirm account (direct authentication): When an admin creates a user account, the user is notified via email. That email link will now go to this updated page.This will help maintain clarity between users requesting access and users with access requested by the administrator.

    Design Updates: We plan to have all design updates completed, documented and released by July 5. At that point I will be requesting that all users migrate from the legacy Ready system to Ready 2015. I will provide an updated video on the migration process and supporting materials to make this transition as smooth as possible. I look forward to bringing the community together on a single platform and I continue to be grateful for those trailblazers already in the new system.

    Product Updates

    As you may have heard, the redesign is live and you are again able to migrate from the legacy system.All institutions should be migrated toReadyby September of this year.I am here to help you in any way so please let me know if you have questions about the migration process. You can find ALL of the redesign and migration resources at the KualiReadyAdminSolutions Website.

    System Viewer, Plan Editor: Do you have a person with a system viewer role that needs to edit one or more plans? You can now mix those two roles! Simply add a system viewer as a plan editor to a plan using the Manage Plan Access page within the Plan Details section of a plan. The system viewer will then see the Edit access for any plan they have plan editor rights for.

    Deleting Users: When you manually delete a user from the system (from the Users screen with in Administration) they will now get a Not Authorized message when they attempt to log back in to Ready. If the user then requests a new password, the system will allow that but the user will STILL get the Not Authorized message and will be unable to access any content. If you choose to add the user BACK, you will now get the Add Existing User screen and you can again select the user's role.

    Guidance: Did you know that in the new design you can choose to hide or show the guidance content? This provides you with extra screen space if you no longer need the supporting information. This selection will also persist while you are navigating within a plan.

I am working on some documentation to help you learn more about how to use these new reports but we are also looking for feedback on whether these reports meet your needs.     Product Updates

    Migration status: We have had 7 institutions migrate over the last month but we need more!The goal is to have allinstitutions migrated toReadyby September.I am here to help you so please let me know if you have questions about the migration process or need support. It isEASY,I promise. You can find all of the migration resources at the KualiReadyAdminSolutions Website. If we haven't talked already, you will be hearing from me or Tony Benjamins in the next few weeks to determine a migration target date for your institution.

    Migration redirect: If you would like us to put in a redirect link from the legacy Ready product to the current Ready product we can do that for you. Create a ticket at [email protected] and we will get that scheduled.

    Migration for direct authentication users: We are unable to migrate a user's password (for security purposes) when they migrate from the legacy app to the new Ready. This means that when a user logs in to the new Ready for the FIRST time, they will be prompted with this message:

    They will then be sent an email prompting them to finish their transition to the new system.

    The unique link within the email will take them to this screen where they can set a new password.

    Once they have created a new password they can log in as usual from then on. We hope that this makes that transition as smooth and deliberate as possible for your users.

    Unsaved progress: We have updated the banner you see when you try to navigate away from a page with changes. Now it matches our design specifications and appears in the app itself rather than from the browser. Much better!

    All Ready users are now using the new reports engine; however, we identified a problem with those reports lateFridayafternoon and we took the feature down over the weekend to work on a resolution. You will see your instance come back online over the next two days. All institutions should have their reports back online by EODWednesday 8/17. If you have an immediate need to get a report, please email me at [email protected]. We apologize for any inconvenience.

    Peak Periods Report: Based on feedback from users, we have created a new report. You can find that report under the Plans tab with the title of Peak Periods by Criticality Level. It shows you the number of critical functions that have a peak period within a given month, organized by level of criticality. That's a mouthful but it looks nice. See below.

    We need everyone to complete their migration in the very near future as the legacy system will be permanently shut down on 12/16/16. Let me repeat:

    TLSv1.0 Deprecation

    Kuali is no longer going to support TLS1.0 (TLS stands for Transport Layer Security ) as of January 3, 2017. This is the protocol that secures your connection to us. What does this mean for Ready users? It means you and your users need to be on a browser that has been updated within the last 2 years to support a more recent TLS standard. We don't currently have any evidence of Ready users using browsers that support the old protocol but I wanted all Ready users to be aware of this change that the company is making at large.     Weve noticed several institutions have new team members, and some community members have moved to new institutions over the summer. If youd like us to add people to the admin list, or remove folks who are no longer in your organization, please let us know.

    If you havent had a chance to check out the new Help Portal, please stop by and explore. Wed love your participation in the forums. Heres a quick tour of the portal site that explains the different sections. Weve recently updated the status on many of the product suggestions. We encourage you to add your stories and use-cases to the suggestions to help us prioritize development of enhancements.

    Product Updates

    This month weve completed several bug fixes and enhancements in Kuali Ready 2015. In addition, we started transitioning to a new AWS hosting environment that will allow us to more easily migrate content from the old version of Ready and will also provide each institution with a staging environment, where you can play with Ready 2015 without messing with Production data. Well update you on the staging environment as it gets closer to release.

    Right now were working on the Action Items Summary screen, as well as polishing off the migration tool that will be used by institutions transferring content from the old version of Ready to Ready 2015. Please see the Events section of this newsletter for important information about a webinar demonstrating this function on 9/15.

    Admin Tips

    Here are just a few helpful tips for Ready Admins.

    If you have questions about the migration tool or process, please check out and contribute to the Q&A forum on the Help Portal.

    Kuali Ready 2015 is a completely separate application from the old version. The migration tool will create a copy of your data from the old version and then pull it all into Ready 2015. Nothing will be touched in the old version, so youll still be able to access your content there onceyou'vemigrated. We recommend you switch the access to Admin Only just prior to migration, so peopledon'tmake changes in the old application.

    If youre migrating, your user accounts will be copied over from the old system into Ready 2015 and will be attached to the same plans as they were in the old system. User ID in the new system is your email address. Admins will want to make sure the email address field is complete and accurate for users prior to migration.

    Works in Progress

    Were going to be meeting with members of the former Ready Voting Board in late October to discuss product updates and opportunities for board member institution investment to accelerate product enhancements. The purpose is to evaluate the need/desire to identify major enhancements that might be worth targeting for increased resources in order to accelerate development.

    Based on subscriber feedback, we understand youre interested in enhancing Dependencies functionality, improving reporting, updating the IT section of plans and making it easier to evaluate readiness of the entire institution. If you have other major enhancement suggestions youd like evaluated, please do reach out. Your voice is important, and wed like to fairly represent the entire community.

    Kuali Ready Admin Webinar, September 15th:Well be hosting a webinar for current subscriber admins, Kuali Ready 2015 Migration Demo for Current Subscribers, on Sep 15 at 11:15 AM PDT.

    Description:This session is designed for current Kuali Ready subscribers who will be migrating content from the old version of Ready into Kuali Ready 2015. We'll do a quick tour of Ready 2015 and then demonstrate the migration functionality. There will be plenty of time for Q&A. The session will be recorded for those who cannot attend.

    Kuali Days, November 9-13:Weve had a few questions about Kuali Ready sessions at Kuali Days. We did not receive any Kuali Ready session proposals. Feedback we gathered from subscribers indicated most would not be able to attend Kuali Days because it bumps up against the IAEM conference, which is a priority for many. You are still more than welcome to attend Kuali Days. Well be offering some Kuali Ready 101 sessions to cover the basic info about the product. Were also happy to pull together more sessions to meet your needs if weve got a group of folks whod like to attend. Please let us know as soon as possible, so we can make arrangements.

    IAEM University and College Caucus Symposium, November 14th and 15th:Because so many subscribers have shared the importance of this event, were working with organizers to identify a sponsorship opportunity.
