SUBMITTING A FINANCE TICKET IN SOUL SUPPORT SOP
The following SOP outlines how to properly submit a ticket to HQ Finance in Soul Support.
Select FINANCE, add anyone you would like to CC on the ticket, add a SUBJECT and a DESCRIPTION of your inquiry
Select TYPE of finance request
Certificate of Insurance- request proof of insurance for an event/vendor
Add a NEW vendor- make sure to attach the vendors W-9 and term sheet
Modify a vendor- make changes to vendor information, tax ID, payment terms or payment address, etc.
Pay an invoice- submit an invoice for a service or goods for payment (most often this is option that would be used)
Other finance request- make another type of inquiry to Finance that does not fit within the other categories
Accounts receivable- payments received for SoulCycle, in relation to a special ride or reimbursment from a vendor
A separate set of drop-down fields will appear for each type of finance request indicated
Most often Soul Support submissions to Finance will be related to paying an invoice for goods or services. Please see below for a detailed explanation of the fields to complete
SUBMIT AN INVOICE FOR PAYMENT IN SOUL SUPPORT:
Select type of expense
Capital (CAPEX)- costs that go towards upgrading physical equipment or property in a studio or HQ office location
Operating (OPEX)- all other costs related to supplies or services, either recurring or one-time
Select the following fields to include additional information to support the invoice submission:
Expense type- budget category the costs should be attributed to
Tax
Type of currency
Add in your NAME, the DEPARTMENT that the expense should be attributed to and the STUDIO(S) that the expense is related to
Add in the payment DUE DATE on the invoice, the period of time that the invoice relates to (which date(s)/month(s)), the department that initiated the spend and the invoice total AMOUNT
In the final section of ticket add in SERVICE DATE information (if applicable) and then attach the invoice copy as a PDF and hit SUBMIT!
