  • Swing’s Guide To Completing Mandated Reporter Training

    California requires all substitute teachers to complete training to become a certified mandated reporters. A mandated reporter is a person who, because of their profession, is legally required to report any suspicion of child abuse or neglect to the relevant authorities. In order to sub with Swing in California, you must verify with us that you have completed the training and passed the test. Here’s how:

    Frequently Asked Questions

    What is a mandated reporter? Mandated reporters are required by the state of California to report any known or suspected instances of child abuse or neglect to the county child welfare department or to local law enforcement agency (local police/sheriff's department). Anyone who encounters children through their profession, including substitute teachers and all school employees, must be a mandated reporter, pursuant to California Penal Code 11165.7 and California Education Code 44691.

    Am I paid to take this training? No. This is a State requirement for all adults working with children. You will not be compensated for your time to complete the training.

    Why must you report? The primary intent of the reporting law is to protect the child from abuse and neglect. Reporting may also present an opportunity to provide help for the family. Parents who are under stress may be unable to ask for help directly, and may not know where or how to access support/help. A report of suspected abuse or neglect may be the catalyst for bringing about change in the home environment, which in turn may help to lower the risk of abuse or neglect in the home.

    How much proof do I need to provide that abuse or neglect has occurred? No proof of abuse or neglect is needed, only "reasonable suspicion” that child abuse or neglect may have occurred. If you are at all concerned about the possibility of abuse or neglect, you should report. Investigations will be conducted by law enforcement and/or the county child welfare department to determine if abuse or neglect has occurred. Delayed reporting while awaiting further information may hinder the investigation by the appropriate agencies.

    How do I report? Mandated reporters must report to a county child welfare department or to local law enforcement (police or sheriff's department) immediately by phone. A written report must then be sent within 36 hours by fax, or it may be sent by electronic submission if a secure system has been made available for that purpose in your county. Written reports must be submitted on the California Suspected Child Abuse Report Form 8572.

    Can I report the abuse or neglect anonymously? No. Mandated reporters must identify themselves to the county child welfare department when making child abuse or neglect reports. However, persons who are not legally mandated may make anonymous reports.

    Who will know that I made the child abuse or neglect report? The law enforcement officer and/or county child welfare worker investigating the case will have your name in order to contact you about the report. Other professionals involved in the case, such as detectives, and attorneys will have access to your name as well. However, your identity cannot be disclosed to the family or anyone else not directly involved in the investigation of the case. If your case results in a trial and you are required to testify, your identity may be revealed in court.

    Do I need to tell the parents that I filed a report? You are not legally required to notify the parents that you are making a report. However, it may be beneficial to let the parents know you are reporting for the benefit of a future relationship. Copies of the report should be kept confidential and should never be given to any parties other than social services or law enforcement.

    If I tell my supervisor about my concerns of abuse or neglect, have I met the obligation for mandated reporting? No. Telling a supervisor does not meet the mandated reporting requirement. If a decision is made that the supervisor will complete and submit the report to the county child welfare department or law enforcement agency, then one report is sufficient.

    What if my supervisor tells me not to report my concerns because they are not sufficient? You must still make a report to the county child welfare department or local law enforcement. If the supervisor disagrees, the individual with the original suspicion must report.

    If the incident I report turns out not to be the result of abuse or neglect, can I be sued? As long as a child abuse or neglect report is made in good faith, the mandated reporter is legally protected from civil or criminal lawsuits. Any legally mandated reporter has immunity and confidentiality when making a report. No individual can be dismissed, disciplined or harassed for making a report of suspected child abuse.

    What happens if I am concerned about abuse or neglect and I do not make a report? Legally mandated reporters can be criminally liable for failing to report suspected abuse or neglect. The penalty for this misdemeanor is up to six months in jail and/or up to a $1,000 fine. Mandated reporters can also be subject to a civil lawsuit, and found liable for damages, especially if the child-victim or another child is further victimized because of the failure to report.

    Will I have to testify in court? The majority of cases don’t go to trial. If they do, and the professional may be required to testify, it is important to remember that the testimony may be essential for the protection of the child.

    What happens if the children are removed from the home? This varies somewhat from county to county. If the county child welfare department determines that children must be removed from the home, they may be temporarily placed with an approved relative or in a licensed foster care home or facility depending on the county. If a child is removed, the case must be presented to a judge within 72 hours to determine if the removal is necessary or appropriate pending the rest of the investigation.

    What happens after the report is filed? After a report is filed, the county child welfare department or local law enforcement agency investigates the allegations. These agencies are also required to cross report suspected child abuse or neglect cases to each other. The county child welfare department or law enforcement agency investigation will result in one of three outcomes.

    Unfounded report - the report is false, or does not involve abuse, such as an accidental injury 2. Substantiated report - it is determined that child abuse has occurred

    Inconclusive report - there is insufficient evidence to determine whether or not abuse has occurred. Only substantiated reports of child abuse and severe neglect must be forwarded to the Department of Justice. The county child welfare department will determine if children need to be removed from the home or if services need to be offered to the parents or caregivers. Law enforcement agencies may also pursue criminal prosecution.

    What are the qualifications to be a sub?

    Although requirements vary by school and region, all substitute teachers with Swing need to pass a background check and hold a bachelor’s degree (in any subject).

    Do I need to be certificated or have some sort of teaching permit or credential to work?

    It depends on the region and the school. Many schools do submit requests for non-certificated subs. However, having a credential or permit significantly increases your opportunities and options.

    Swing offers a range of resources to help you obtain your permit, including reimbursement for most permit-related expenses.

    If I work with an agency or school/district can I also work with Swing?

    Yes! We prioritize flexibility for our substitutes we’d love to have you even if you also work with an agency or school/district.

    Is there an opportunity for full-time work?

    Swing doesn’t directly offer full-time employment opportunities for substitute teachers, but schools do use us to fill long-term requests, and some Swing subs have landed full-time positions.

    Is there a minimum time commitment required to sub with Swing?

    No! You work as much or as little as you want.

    Does Swing provide benefits?

    Because substitute teachers are independent contractors, we don’t provide direct benefits.

    We help cover some costs associated with onboarding requirements.These onboarding costs, which we reimburse, include fees associated with background checks, TB tests, and obtaining permits. You will be responsible for your own expenses incurred during your work as a substitute teacher.

    Is there a cost to join Swing Education?

    What is this document all about?

    As a Swing Sub, you are an independent contractor, rather than a direct employee, which means there are some significant differences in how you are expected to organize, track, and report your taxable income to the IRS. This document is intended to make you aware of some of these differences and equip you with resources that can help you estimate and manage taxes due on the money you earned working at Swing Education’s partner schools.

    Where can I go for support to make sure I do this right?

    There is a great option for many SwingSubs to get FREE support on Tax preparation! The Volunteer Income Tax Assistance (VITA) program offers free tax help to people who generally make $54,000 or less and need assistance in preparing their own tax returns. IRS-certified volunteers provide free basic income tax return preparation with electronic filing to qualified individuals.

    If you do not qualify for the VITA program and still have concerns about doing your quarterly or annual taxes properly we recommend you contact an online or local tax professional that can give guidance more specific to your individual needs. Here are some tips for choosing a tax return preparer.

    What’s the deal with having no taxes withheld from my pay?

    When you begin earning money as an independent contractor, you essentially become a business-of-one. Because you are a self-employed individual this means you are paid the full amount listed on the assignments you worked and no taxes are withheld.

    Unfortunately, this does not remove your tax burden, rather, it means you are required to report your income and resolve your tax debt directly with the IRS. Just how a company will withhold money from an employee's paycheck to send to the IRS, you need to take out your own taxes from the money you earn. Generally, as a self-employed individual, you are required to file an annual return and pay estimated tax quarterly. More about this below.

    Do quarterly taxes apply to you?

    Many SwingSubs earn enough to be expected to pay quarterly taxes. Here’s a general rule-of-thumb for determining if you should be paying taxes quarterly:

    If you expect to owe more than $1,000 in taxes for the year for your contracting work (which amounts to around $3,000 or more in earnings) then you may need to pay quarterly taxes by the dates listed below.

    How do I pay quarterly/yearly taxes?

    Paying quarterly taxes is done by submitting (by mail or electronically) the 1040-ES (for quarterly taxes) and Schedule C Form (for year-end taxes) to the IRS. It is HIGHLY ENCOURAGED that you read the instructions on the 1040-ES form closely as it has detailed information on tax rates, estimating your quarterly taxes, how to pay, etc.

    Swing is required to send you a 1099-Misc form by January 31st which you will use to report your taxes from the previous year and fill out your Schedule C.

    I’d rather just pay my taxes at the end of the year, is that a problem?

    If you don’t pay quarterly when you should, you could face a penalty. Typically, you’ll pay a 6-8\% penalty on the amount you underpaid. So if you made $10,000, owe $2,000 in taxes, and didn’t pay quarterly taxes, you might be subject to a penalty of 6\% of the $2,000 underpayment, which is $120 -- yikes! In short, it is highly recommended that you pay your taxes quarterly if you expect to owe $1000 or more.

    How do you get a New Jersey substitute certificate?

    If you don’t already have an educator credential in New Jersey (as a teacher, administrator, or in educational services), you can apply for a substitute-specific credential.

    One of the first things you’ll want to know is that Swing Education serves as sponsor organization, which will help you get on your way faster to substitute teaching in New Jersey!

    Now, there two types of substitute teaching certificates in New Jersey. Let’s lay out what they are and how to get them.

    Substitute Credential

    Requirements:

    At least 60 semester hour credits at a regionally accredited college or university

    Criminal history background clearance

    Career and Technical Education (CTE) Substitute Credential(Authorized to serve only in a CTE classroom)

    Requirements:

    Two years of full-time work experience in the past five years in a related field

    Criminal history background clearance

    A signed letter from a current or former employer documenting work experience

    Your first step in getting either of these certificates is to complete a substitute credential application. Here’s what you need for the application:

    The application will ask you to provide personal, employment, and educational information.

    You’ll also provide an official transcript from your college or university that shows you’ve completed at least 60 semester-hour credits (for the substitute credential).

    Note:Within both standard and CTE substitute positions, there are different time limits for how long you can work in a district. A standard substitute can serve for no more than 20 instructional days in the same class unless approved by the Executive County Superintendent. In that case, a 20-day extension may be approved. A CTE Substitute can serve for up to 40 instructional days. Here’s a full guide of service day limits by credentials.

    How do you go through a criminal background check?

    As a part of your permit application, you’ll need to go through a criminal background check. Out of consideration for student safety, this applies to all teachers in public schools, private schools for students with disabilities, charter schools, and nonpublic schools.

    To complete the check, the State of New Jersey’s Criminal History Review Unit (CHRU) works with the New Jersey State Police (NJSP) and the Federal Bureau of Investigation (FBI). The process includes investigating criminal history and any previous complaints from school districts.

    You’ll need to start your criminal history clearance by seeking a sponsor organization, such as Swing Education.

    Depending on your history of employment in New Jersey, you may qualify for one of two types of applications : a new applicant or an archive applicant.

    1. If you’ve never worked for a school in New Jersey, you’re a new applicant. Your application will require a few steps:

    First, you’ll check your eligibility by going through an online system. This process requires entering:

    Your social security number

    Your personal contact information

    A few physical details

    Information about the district and school where you’ll be teaching

    Next, you’ll pay a $10 Criminal History Review Processing Fee. There’s also a $1 convenience fee.*

    Then, you’ll complete and/or print the IdentoGo NJ Universal Fingerprint Form. Fingerprinting costs $67.45 for those who have never been fingerprinted in the state of New Jersey.*

    Finally, you’ll Schedule a fingerprinting appointment with MorphoTrust. Be sure to bring a photo ID to your appointment.

    In approximately two weeks, you’ll be able to view your Applicant Approval Employment History through the Criminal History Review Unit’s website.

    *Note:Swing reimburses all its subs for all costs associated with getting permitted, background checks, and fingerprinting.

    2. If you have been fingerprinted and approved by Criminal History Review since 2003 and are changing school districts, you’re an archive applicant.

    First, access the Criminal History Review Archive and select the second option: “Archive Application Request.”

    Enter your social security number

    Select and complete the “Applicant Authorization and Certification” form with information about the district and school where you’ll be teaching

    Next, you’ll pay a $27.50 Archive Processing Fee. There’s also a $1 convenience fee.*

    In approximately two weeks, you’ll be able to view your Applicant Approval Employment History through the Criminal History Review Unit’s website.

    *Note:Swing reimburses all its subs for all costs associated with getting permitted, background checks, and fingerprinting. ( We also help New Jersey schools with “Pass the Trash” compliance.)

    Once you’ve gone through submitting all your forms for the Criminal History Review, it’s time to gather and prepare all of your documents.These will need to be delivered to the County Office of Education.(This office is a great resource for substitute teachers in New Jersey!):

    Your substitute credential application.

    A notarized oath of allegiance form. This form has questions regarding your criminal history and any prior misconduct as a teacher. Be thorough it’s best to disclose anything you think might be a flag, even if it seems minor to you.

    Sealed college transcripts proving at least 60 hours of college credit (substitute credential) OR signed letter from employer documenting work experience (CTE substitute credential).

    Your approved criminal history status check.

    A $125 check made out to the Commissioner of Education. (Swing will reimburse this cost as well.)

    Looking to become a substitute teacher in Illinois? Swing Education is now available in Chicago, Illinois! Substitute teaching is a rewarding job for aspiring teachers, part-time job seekers, and retired teachers or professionals who want to make an impact in the classroom. With Swing Education, substitute teachers can get paid weekly, qualify for potential bonuses, access teaching opportunities in a variety of local schools, and benefit from our tips and resources center.

    Educational Requirements

    In order to substitute teach with Swing Education in Illinois, one must hold a bachelor’s degree (BA or BS) from an accredited college or university.

    Substitute Teaching License and Registration

    You can substitute teach with Swing Education if you have a Substitute Teaching License or a Professional Educator License (PEL) in Illinois. If you do not have any one of these licenses already, applying for a Substitute Teacher License is likely the best option. To get started, log in or create an Education Licensure Information System (ELIS) account with the Illinois State Board of Education and follow the Substitute Application process.

    Getting a Sub License

    Once you have an account, log in and click “Apply for a New License, Endorsement, or Approval” on the home screen. Complete the application.

    A $50 fee will be assessed electronically when the application is submitted. Please have a credit card available and save a copy of the receipt so Swing can reimburse you for this fee!

    What to Do Once You Have Your License

    Once you have obtained your license, you must register your license before you can start working as a substitute teacher. Simply log in to your ELIS account and follow the steps under Registrations in the Action Center.

    How to Get a Background Check

    Before teaching as a substitute teacher in Illinois, you’ll need to get a background check. If you become a substitute teacher with Swing Education, we will reimburse you for the expenses from your background check. Don’t forget to keep your receipt to be reimbursed!

    Take this form to an Accurate Biometrics location near you. Bring your form, a current government-issued picture ID (such as a driver’s license, State ID, or passport) and approved form of payment (credit cards work). No appointment is needed.

    How to Get a TB Test

    Substitute teachers must take and pass Tuberculosis (TB) and drug tests. Some districts and schools, including Chicago Public Schools, require all teachers get tested within 90 days of starting work. Here’s how it works:

    Request a TB test from you personal physician.

    Passing a 5-Panel Drug Test

    As a substitute teacher, you must also pass a 5-Panel drug test. Your prospective school employer should provide the information as to when and where you can take the test, but to teach with Swing Education, the easiest option will be to set up your test with HealthStreet.

  • What is a long term request?

    Any request over three weeks(21 days) is considered a long term request

    Depending on the nature of the work, most schools set a higher pay rate than the normal daily rate to compensate for additional work (e.g. office hours, lesson planning, etc)

    Things to note:

    Subs aren'tautomatically confirmed into a long term request

    ONLY interested subs should add themselves to the waitlist

    The school will interview the subs on the waitlist and may ask subs for their resumes

    After the interview process, the school will select one of the subs into the request

    Please note that Swing has no control over when/ if you will ever be chosen as a sub for a long term request. You can send a quick note to the school expressing your interest but it is completely up to them if they chose you for their role.

    Complete a free, 3 minute TB Risk Assessment, which may satisfy as your TB Test. Otherwise, you can get a free risk assessment at Wellnessmart (if you go to Wellnessmart, a form will be provided).

    If you’re reading this guide, you have an idea of how rewarding it can be to be a substitute teacher. You get to help out schools when they need a hand, keep students on track with their academic goals, and broaden and deepen your teaching skills.

    But, it can be confusing to figure out how to make the idea of being a sub a reality. This guide can help you take the first step to exploring substitute teacher jobs in California.

    Subs are called into classrooms that have a teacher on an unexpected leave, to schools in the process of searching for new permanent staff, and to school districts facing teacher shortages. You can provide the support to the students who need it most.

    Choose your schedule

    As a sub, you can work when you want, where you want, and for as long as you want. If you have other commitments, work another job, or need to take care of your family, subbing can fit easily around your schedule.

    Pick your classroom

    As a sub, you’re never confined to a certain subject or school. You can visit the classrooms that are most appealing to you and experience teaching students of different ages and skill levels.

    With all of this variety, you can hone your skills as an educator, gain more ease in front of the classroom, and get the experience you need to meet any teaching challenge.

    How to get a substitute teaching permit

    Getting a California sub permit will allow you to access the most teaching opportunities, including those in public school districts. However, not all substitute teaching roles require a permit.

    There are three different kinds of permits to consider:

    Emergency 30-Day Substitute Teaching Permit, the best choice for most prospective subs.

    Emergency Substitute Teaching Permit for Prospective Teachers, for subs currently studying to become credentialed teachers.

    Emergency Career Substitute Permit, for experienced California subs.

    Meet the general qualifications

    No matter which permit makes the most sense for you, you’ll need to complete the following tasks:

    Pass a basic skills test. You can satisfy this requirement in any of the following ways:

    The SAT: Score 500 or higher in Critical Readingand550 or higher in Math.

    The ACT: Score 22 or higher in Englishand23 or higher in Math.

    The California Basic Educational Skills Test (CBEST): Score at least 123 points. You can also qualify by passing the basic skills test of another state.

    The California Subject Examinations for Teachers (CSET): Multiple Subjects Plus Writing Skills Examination : Score at least 220 on all three sections of the test.

    The College Board Advanced Placement (AP) Examinations : Score 3 or higher in math (AP Calculus AB, AP Calculus BC, or AP Statistics)andin English (AP English Language and Composition or AP English Literature and Composition)

    Pay the $100 processing fee. (Note: Swing Education reimburses all its subs for all costs associated with getting permitted, background checks, fingerprinting, and TB tests.)

    Emergency 30-Day Substitute Teaching Permit

    Who should get this permit

    Get this permit if you’re just starting out and aren’t currently in school to become a certified teacher.

    What this permit means

    Teach as a day-to-day substitute in any classroom.

    You can move from classroom to classroom throughout the entire school year, and you can sub for any individual teacher for up to 30 days (or up to 20 days for an individual teacher in special education classrooms).

    After 30 days, you must sub in another teacher’s classroom.

    How long this permit lasts

    The permit is valid for one year, and may be renewed repeatedly.

    Emergency Substitute Teaching Permit for Prospective Teachers

    Who should get this permit

    Get this permit if you’re currently enrolled in an accredited institution to become a certified teacher in California.

    What this permit means

    Teach as a day-to-day substitute in any classroom.

    You may sub for any individual teacher for up to 30 days (or up to 20 days for an individual teacher in special education classrooms).

    After 30 days, you must sub in another teacher’s classroom.

    How long this permit lasts

    The permit is valid for one year, and may be renewed only once.

    Additional qualifications

    Provide transcripts for a minimum of 90 semester units of coursework at an accredited institution.

    Verify that you’re enrolled at an accredited 4-year institution in California with either official transcripts or a letter from the registrar.

    Undergo a criminal background check and submit fingerprint records.

    Emergency Career Substitute Permit

    Who should get this permit

    Get this permit if you’re an experienced sub who has subbed for at least 90 days each year for three recent consecutive years in a single California county. This permit will allow you to sub in the same classroom longer than the 30-day permit.

    What this permit means

    Teach as a day-to-day substitute in any classroom.

    You may work as a substitute teacher for up to 60 days for any one teacher during the school year (or up to 20 days for an individual teacher in special education classrooms).

    How long this permit lasts

    The permit is valid for one year, and may be renewed repeatedly.

    Additional qualifications

    Provide transcripts for your baccalaureate or higher degree from an accredited institution.

    Verify recent experience totaling at least 90 days of subbing per year for three recent consecutive years in a single California county.

    Provide a letter of endorsement from the district superintendent or the county office of education.

    How to get a background check

    Unless you’re applying for a career substitute permit, you’ll need to go through the criminal background check process as part of your permit application.

    To keep students safe, the state of California checks thoroughly into all prospective teachers’ histories. This includes but isn’t limited to:

    Checking into your federal and state criminal history

    Reviewing any reports in the international database of teacher misconduct associated with you

    Investigating any history of complaints or flags from individual school districts

    Steps to completing the background check

    Fill out the Application.

    If you have any incidents to report on your application, fill out the Professional Fitness Explanation Form for each incident.

    Get fingerprinted.(Note: Swing Education reimburses subs for costs associated with getting permitted, background checks, fingerprinting, and TB tests. Register with Swing, and we will provide you with more information)

    WellnessMarts don’t require an appointment. Visit any location that works for you.

    Tips for your background check

    Disclose everything.

    Err on the side of over-reporting include incidents even if they seem negligible to you, happened when you were a minor, or happened in another state.

    Be thorough and specific.

    Red flags on a background check

    The following will bar you from teaching in the state of California:

    Any violent crime

    Any first- or second-degree crime

    Any crime that endangered others

    Most drug offenses

    Like a court, the Commission will take the following into consideration when evaluating your criminal history:

    Age when the crime occurred

    Time elapsed since the crime occurred

    Severity of the crime

    Your record as a whole

    How to get a TB test

    The state also requires that all staff working with students provide evidence of a negative tuberculosis scan. A TB test is a two-step process.

    A small amount of fluid is injected into the skin of your arm. This forms a little bubble.

    You return to the TB testing site 48- to 72-hours after you’ve received your injection so the clinicians can examine the effects of the test.

    If your test is negative, you’ll be provided results that you can share with your employers. If your test is positive, TB can be easily treated.

    Options for completing a TB test

    Visit any WellnessMart location.

    If you can’t make it to a WellnessMart, you can go to your doctor or any other clinic.

    Once you’ve completed the above, you’ll be ready to sub in California!

    The requested sub will be notified via SMS. If they don't respond within time frame (2 hours, 6 hours, or 12 hours) requested, the rest of our sub pool will be notified.

    Important FAQs

    Why did someone else accept your request? This can happen if your requested sub does not respond within time frame. At that point we issue the request to the broader pool to help make sure it gets filled.

    If you have the "Credential or Permit Required?" box checked, only permitted subs will appear on the list.

    Issuing a request with a specific sub less than 24 hours before its start time means that ONLY the specific sub will see it:

    Contacting the requestedsub directly to confirm that they are available is agreat idea!

    If you know the requested sub can't make it, and your request starts soon, email us and we'll notify the rest of the pool.

    The requested sub will know you're requesting them because "You've been requested" will appear on their SMS notification.

    Negative Feedback:

    Type your feedback in the text box on the request page.

    Click "negative" when rating your experience.

    Toggle the "unlink" button to block the sub from your school.

    Select the reason for unlinking the substitute.

    Submit your feedback.

    When a Swing substitute receives negative feedback, we provide resources and guidance to help the substitute improve moving forward.

    We maintain record of all feedback to help us determine how to best support Swing substitute teachers and, if necessary, whether removal from the Swing platform is warranted.

  • As a substitute teacher, you should NEVER engage in physical contact with students or their personal belongings. The only exceptions might be when school administrators give explicit directions about specific situations, such as asking a student to hand you their phones or helping a student with special needs.

    If a situation with a student gets out of control, it is definitely appropriate to call for support as the consequence of physical contact with a student can be far graver. Administrators expect to be called in these situations.

    Some alternative actions you can take in instead of engaging in physical contact:

    First, use proximity, by walking over to the student so you can speak to them more discreetly. Then, in a calm, assertive (but not angry or threatening) voice tell the student that their behavior is not meeting expectations and ask them to stop the undesired behavior. Let them know the consequence is that you will need to contact an administrator if they don’t stop.

    Call your point of contact, an administrator, or a teacher who can further engage with the student.

    If you cannot get in contact with school staff, send a different student to the office with a note in order to get assistance.

    Below are some common scenarios in which subs mistakenly engage in physical contact. In these situations subs should follow these strategies:

    1. A student tries to run out of the classroom

    Let the student run out of the room and immediately call your point of contact, an administrator, or a teacher who can further engage with the student.

    2. A student is harming themselves or school property

    Do not attempt to restrain the student or grab objects out of the student's hands or move their personal belongings

    Do move other objects that may become involved and ask other students to move away

    3. A student is engaging in behavior that could harm others, such as throwing objects or hittingothers

    First, ask the other students to move away from the student

    If the student is particularly violent or throwing desks or chairs, escort all other students into the hallway

    4. You were instructed to take cell phones/ headphones if students had them out in class

    Give the student a warning first. Ask them to put the object away and let them know the consequence for taking it out again: confiscation or being sent to the office/calling an administrator

    Do not take any objects from the student unless they voluntarily give it to you

    5. You are working with a special needs student and you were asked to engage in a specific type of physical contact, but they aren’t allowing you to

    You do not have to engage in any physical contact. It is ok to tell the school that you do not feel comfortable with any physical contact with students and let Swing know the situation

    Don’t attempt to engage in the requested physical contact by force

    Take notes on the student’s behavior and on why you were not able to follow through with instructions

  • We offer two convenient types of requests. In addition to standard requests, you can accept Swing Heroes requests.

    Swing Heroes requests are released up to 14 days before the assignment begins, so they allow you tolock in pay for that day and set your work schedule in advance.

    Swing Heroes requests also differ from standard requests in that when you sign up, you won’t see full request details. You will know the day, the pay, the region of the assignment, and the grade type (e.g., elementary or middle/high) when you sign up, and then additional details (grade level, subject, and site location) on the morning of the assignment.For more details, see our FAQ page.

    How Swing Heroes Works

    1) Sign up for a specific date and location on Swing's platform. Swing Heroes requests are designated with a “Swing Heroes” label.

    2) Receive full request details, such as location, start/end time, and subject by 9:30 a.m. the morning of the assignment.The school day can start as early as 7 a.m., so you'll want to be awake, checking your phone, and ready to commute to campus by 6 a.m. or thereabouts. (The text notification may arrive overnight, so make sure to carefully look through your message history.) This will help ensure you arrive on time.

    You can also log in to your online Swing account to see where you are assigned.

    3) If you do not receive request details by 9:30 a.m. on the morning of the assignment, you won’t be needed for that assignment. You will still be paid the rate listed on the request, and you’ll be free to accept another request.

    How do I find Swing Heroes requests?

    You can accept Swing Heroes requests by logging in to your Swing account. (They are not currently available via text message.) These requests are labeled “Swing Heroes” on our platform and have a “Swing Hero” banner.

    Why do I only get certain assignment details in advance?

    Swing Heroes requests are designed to address the growing challenge of last-minute teacher absences. When you accept a Swing Heroes request, we are essentially reserving your time for a given day. This enables Swing to match you with nearby school sites that need a substitute teacher to cover a last-minute absence.

    What does guaranteed minimum pay mean?

    If you accept a Swing Heroes request, you will always earn at least the rate listed in the “guaranteed minimum pay” section. But if the school has a higher rate than the guaranteed minimum, you will receive that higher amount.

    What is the Swing Heroes cancellation policy?

    Swing Hero slots are intended to help lock in pay and secure the position in advance for days that are in high need. We understand things may come up or your schedule may change as the date nears. Cancellations that occur within 48 hours of your assigned date do not impact your standing with Swing, but it mayaffect your ability to continue subbing via Swing Heroes.

    What if I can’t make it to the school on time?

    Call the school administrator listed on the request as soon as you determine that you will be late. Let them know you just received the assignment, but that you're on your way. If you can't reach the administrator, call Swing’s support team and let us know. If you are marked late, contact us so that we can waive the penalty.

    What if I don’t want to sub at a certain school?

    Contact Swing’s support team here and let us know the names of any specific schools you’d like to avoid. We’ll then remove them from your account to ensure you don’t receive requests from them.

    What if I’m not qualified to fill the request?

    Particularly when faced with filling a last-minute teacher absence, schools generally prioritize finding someone who can follow the teacher's lesson plan and maintain a safe classroom environment. Teachers often leave lesson plans understanding that the substitute may not be an expert in their particular subject.

    How many open Swing Heroes requests are available near me?

    Each Wednesday, you’ll receive a text message that has information on open requests for the upcoming week. Or check for openings on our online platform any time.

  • Signing up for requestsvia text message is the quickest way to secure your work for the day. Requests are sent out in random order and are filled on a first-come-first-served basis. When there is an open request, you’ll receive a notification like this:

    You’ll be given the option to log in the Swing website on your mobile browser through the link provided orreply directly to the message with the promptedkeyword.In this example, the keyword issub 0a2f.

    When you successfully sign up for an assignment, you’ll get a confirmation text that says"You're Confirmed!"

  • How do I know that I was added to a waitlist?

    "Thanks for responding! XXXX was filled by somebody else, but we've added you to the waitlist. Visit https://subs.swingeducation.com to see 1 request still open on this day."

    Or

    You selected "View Details" to see the details of the request, then clicked the "Add Me" button. "Add me" is an indication that it is a waitlisted request.

    Why was I put on a waitlist?

    Below are reasons why you may be puton a waitlist:

    A request is filled and a waitlist is created in case the original substitutecancels

    To show that you are interested in a long-term request

    You want to accept a request, but the start time has already passed

    Will I be notified if I am selected off of the waitlist?

    Yes. You will receive a text confirmation and do not need to do anything further to accept the request. Sync your google calendar to ensure you do not miss the notification!

    Will I be selected off the waitlist to fill last-minute requests?

    No. If the original substitute cancels the request within 48 hours of the start time, Swing will notify the entire pool again and will not select a substitute from the waitlist.

    I accepted a request for today that has already started and was added to a waitlist. Should I head over to the school?

    Not yet. The school might no longer need coverage for this request. Feel free to call the school contact and see if they still need someone. If they do, remind them to select you off of the waitlist.

    A principal called me from the waitlist because the original substitute didn’t show up for the request. Am I required to accept?

    No. You can remove yourself from waitlists if you are no longer available, but we understand that it isn’t always easy to remember which waitlists you’ve signed up for. However, If you are available to accept the request last-minute, the school would be REALLY grateful!

    Do I need to remove myself from a waitlist if I picked up a different request on the same day?

    No. If you pick up other requests, you will be marked as “unavailable” on the waitlist.

    My name is on a waitlist for a long-term request. How will I know if I’ve been selected?

    The school will contact you to have you come in for an interview. Until that happens, feel free to continue accepting other jobs as you can cancel those requests without penalty if you are accepting a long-term request.

    I am interested in a long-term request but I am already confirmed for assignments that occur during the long-term request, should I still add myself to the waitlist?

    Yes. If a school requests you for a long-term request we will work to get your other short-term commitments filled, if possible, to help you be available for the long-term request. Do not cancel your short-term requests yourself - we will help you with that if this situation occurs.

  • Often, as soon as a request is sent out, it is picked up very quickly by the first substitute who receives the text. The order in which text messages are sent out is changed each time, so that all subs have a chance to get notifications first.

  • As of March 2018, we have transitioned from Payable to Tipalti. All payment and tax information will be documented and completed through our third-party payment processor Tipalti.

    Below are the steps you will take to set up your Tipalti account to complete the tax forms as an independent contractor for Swing and set up direct deposit for payments. You must complete yourW9 Tax Form in order to receivepayment.

    Log IntoTipalti

    Login to your Swing Sub account at subs.swingeducation.com and click onPayment Setup under the top right navigation as below:

    After you login, you will be taken to the following screen where you need to enter your email, phone number, your full name,and address. The name you use here should match your banking records.

    Once finished, click the “Next” button on the bottom right portion of the page.

    2. Enter Your Payment Method

    Click the drop-down menu to select the type of payment method you want to use:

    A) Recommended:Direct Deposit/ACH- enter your bank information

    B) Checks- Verify your name, address, and currency and note the following:

    Cost $2.10 per check

    2.5\% foreign currency conversion fee may apply.

    Please allow 15 business days for the check to arrive.

    Checks are for deposit only, and cannot be transferred.

    Once finished, click the “Next” button on the bottom right portion of the page.

    Note: P.O. Boxes cannot be used for your payment address.

    3. Complete your W9 and Sign Electronically

    Complete the W9 Tax Form so that Swing can send your 1099 form at the end of the fiscal year.

    Typically, Swing Subs get paid as individuals. You can set this up by marking the "individual/sole proprietor or single-member LLC" box on the W-9 form.If you've created a corporation or other legal entity under which you want to get paid, you can use these boxes. If you are not getting paid as a business, you can leave the "Business Name" section blank.

    We're not able to provide tax assistance, please check with your tax professional if you have further questions.

    NOTE: In order to pass TIN validation, the following 2 things should match:

    1) "Section 3: Tax Forms" - digital signature and the name you entered in "Section 1: Address" - Name (First, Middle, Last)

    This should alsobe the same as the name you used for your bank account.

    2) “Section 3: Tax Forms" - Name (individual or company name)should be the name that you use tofile your taxes and is associated with theSSN [individual] / EIN [company] you enter on this tax form

    "Section 3: Tax Forms" - Name (individual or company name) can be different from the name in“Section 1: Address - Name (First, Middle, Last),"for example, in the event it is a company name or your married name.

    If you have an apartment or suite number/letter you can write that in the box that says “Street”. For example, if your address is 1313 Mockingbird Lane Apt C, you can write Mockingbird Lane Apt C in “Street” and 1313 in the “Street Number” box.

    P.O. Boxes should also be entered into the “Street” box.

    Digitally sign your W9 by typing yourfull name and your email.

    Once finished, click the “Next” button on the bottom right portion of the page.

    4. Done: You Are All Set To Receive Payments!

    Once you reach the following screenyou are ready to get paid by Swing!

    Once you're set up and have received your first payment via Tipalti, you'll be able to see your Payment History under the top right navigation as pictured.

    Note: You will only be able to see any payments that have been made through the Tipalti system (you will NOT be able to see your previous payment history from Payable).

    How will I get paid and how often?

    You will be paid weekly by either direct deposit or check depending on the method you select during your account setup.

    You’ll be paid by Friday of each week, and that weekly deposit will include payments from any work completed in the prior week.

  • You can help set your Swing Education substitutes up for success by updating your school profile with important campus and classroom procedures. Here’s how it works.

    1) Log in to your Swing account.

    2) Click on your name in the top-right corner of the page, and then select "School Profiles"

    3) Select "Edit Profile" for the desired school:

    4) Select "Edit Section" to the left of any section you’d like to update.

    You can update the “School Details” (i.e. start and end times), “Arriving Onsite” (parking and check-in/check-out procedures), and “Site Policies” sections directly in your online Swing account. Please if you’d like to update your billing information.

    Once you’ve updated a section of your school profile, make sure to select the “Save Changes” button to finalize it.

    We expect our subs to have the utmost professionalism when representing Swing on a school campus.

    Professional= be on time, be respectful, be prepared!

    Although the specific protocols and rules of schools can be different, this list of standard expectations will help you be successful in most situations across all schools:

    All communication will be professional and courteous with school staff- at all times.

    In the event that the school or you, as the sub, are not satisfied with your experience at any assignment for any reason, the school or the sub can request to be unlinked from each other.

    When a school requests to unlink a sub we strive to objectively provide you with any actionable feedback so you can reflect on and improve in your practice.

    We want our subs to succeed, so we are happy to keep working with subs if they indicate that they have a desire to continue growing as an educator and we find that they’re a good fit for other schools.

    There are some behaviors, however, which are considered safety concerns. Those behaviors are never acceptable at any school and can be grounds for immediate removal from the platform.

    We may also consider removing a substitute from the platform when we observe a pattern of unchanged negative behavior or if the sub’s response indicates that the sub is unable to adequately improve.

    Expectations Regarding Safety Concerns

    This section contains behaviors that are never acceptable at any school and can be grounds for removal from the Swing platform. They could also result in schools or parents pursuing legal actions.

    We caution you to avoid the following behaviors to be successful at a school:

    Have any physical contact with a student or their belongings

    Have any interaction with a student or staff that can be considered lewd or sexual harassment

    Use inappropriate language (socially offensive/lewd) or verbally abuse a student, staff member, parent, or member of the public while on school property

    Comment on a student’s personal appearance/characteristics, identities, abilities, or known disability

    Have sole custody of a student in a private setting

    Leave students unattended or not actively monitoring the class (ex: sleeping, being engaged with electronic devices, ignoring safety issues)

    Leave the school grounds during school hours without notifying school administration

    Bring or show unauthorized movies (including but not limited to internet clips) or

    photographs to the students

    Transport students in a vehicle without authorization from the school

    Provide medication to a student

    Attempt to contact or be contacted by a student outside of the assignment

    Remove school property from school grounds or fail to return school property

    Share confidential information about a student or school employee with

    non-relevant/third parties unless required by law (including but not limited to photographs, recordings, social media posts, or discussing a student's information - especially about a student’s disability or learning accommodations)

    Expectations for Accepting Assignments

    Reliability is extremely important to schools. By following these expectations you have the opportunity to earn Star Sub status.

    Complete all accepted assignments

    Use the Swing platform to cancel an assignment, if you are no longer able to meet the assignment requirements

    Avoid canceling any assignments less than 24 hours before the assignment start time

    Expectations On the Day of an Assignment

    First impressions matter, you may find yourself developing your network! Follow these expectations to make a great first impression.

    Checking In:

    Arrive on time or earlier than the expected start time

    Contact the school immediately via phone if there is an emergency cancel or tardy

    Contact Swing Support ( [email protected] ) to explain the nature of the cancel or tardy. This also helps us confirm any appropriate changes to the assignment.

    Follow the school’s’ dress code

    Follow the school’s check-in procedures

    Be approachable, flexible, and ready to assist the school with their needs

    Communicate professionally with all school staff

    Do not use curse words or derogatory language

    Avoid discussing controversial or polarizing topics such as politics, religion, drugs, sexuality, etc

    Before Class Starts:

    Read over lesson plans and prepare materials needed to execute the plans

    Familiarize yourself with the school’s behavior management policies and style

    Familiarize yourself with all school safety equipment, such as fire extinguishers or eye washes and protocols including but not limited to lockdown procedures, codewords, fire/earthquake/tornado procedures, and medical emergencies

    Make sure you know how to communicate with your point of contact while in the classroom

    During Class:

    When executing classroom duties:

    Never leave students unattended

    Make sure all students are accounted for by following procedures for attendance, hallway passes, and transitions

    Actively monitor students - do not use personal electronics, read, or sleep

    Follow the lesson plan and/or instructions provided by the school

    Commit to remain objective with students and the learning material, without bias or prejudice

    Communicate with staff if there is a safety concern in the classroom

    If you are working as substitute teacher’s aide or paraprofessional, follow the directions of the lead teacher

    When interacting with students:

    State and uphold behavioral expectations so the class maintains a safe learning environment

    Treat all students with courtesy, kindness, and respect at all times

    Engage with students by answering their questions. Walk around the room and go to students

    Understand and respect the values and traditions of the diverse cultures represented in the community and in the classroom

    Avoid discussing controversial and polarizing topics including but not limited to: religion, race, politics, sex, drugs etc.

    Passing Periods / Lunch / Planning Periods / Recess:

    Follow all hallway, transition, and dismissal procedures

    Only dismiss students at the bell or designated dismissal time

    Follow any break, lunch, planning period, or recess procedures and complete any student monitoring duties or administrative duties during these time periods

    Do not leave students unattended; wait until a qualified adult is present

    Ask permission, and inform staff if you need to leave campus

    Arrive at least 3 minutes early to assigned area after a break

    Take breaks / eat lunch in designated areas on campus

    Do not smoke cigarettes, useelectronic cigarettes, or vaping on school grounds or near campus

    End of Classes / Assignment:

    Following these expectations will help you leave a good impression with the school. This can lead to you becoming one of their preferred subs in the future.

    Leave detailed notes for the teacher, avoiding judgemental or subjective language

    Collect all school work from students and make sure it is organized

    Follow all procedures for student dismissal

    Do not let students leave until the designated time for dismissal

    Leave the classroom as tidy as possible or in the same condition as it was upon arrival

    Make sure any technology or equipment is accounted for and properly stored/locked

    Ensure classroom is locked/secured

    Return all school property, including keys

    Follow all school check-out procedures

    Ensure school admin is aware that you are leaving campus

    Below are the steps you will take to cancel a request:

    2. Click under the “My Commitments” tab.

    3. Click into the request that you want to cancel and you will be taken to the request page.

  • At Swing, we have two different billing options. These options are discussed at the time of signing the contract with Swing. If you would like to make changes, please reach out to us here.

    PrePaid Deposit

    Pre-Payment Agreement -ABC School agrees to the Pre-Payment Plan of a top-up amount of $20,000. (amount varies by school)

    At that point, the school is invoiced the prepayment amount and their Prepaid Draw Down (PDDD) is automatically topped-up.

    Now they have a $20,000 PPDD balance.

    Once the school requests subs, the usage invoices are created. These usage invoices are automatically paid and applied via the PPDD balance.

    Once the PPDD balance reaches a low balance amount our system automatically creates a top-up invoice and then PPDD balance is topped-up.

    Pay as you go

    Pay as you go allows you to pay your invoices as you use Swing Subs. You only pay for what you have used, and all invoices are expected to be paid upon receipt.

    To view invoices on the platform, you must be a billing admin. If you wish to become a billing admin please have your accounting department reach out with your name and email address here.

    You can complete your Live Scan background check at a WellnessMart location or any other Live Scan location.

    WellnessMart : WellnessMart scans are free and don’t require an appointment. To get started, log in to your Swing account andthen select the “put me on the WellnessMart list" option. This will automatically put your name into WellnessMart's system for any location that works for you. Then, download and fill out this form and bring it to your appointment.After you complete the scan, your results will automatically be sent to Swing.

    Other Live Scan Location : If you can’t make it to a WellnessMart, you can go to any Live Scan location. Download and fill out this form and bring it to your appointment. Keep your receipt and Swing will reimburse you after you’ve completed your first day subbing with us.

    What if I've already done a Live Scan background check for another organization?

    Unfortunately, even if you’ve done this with other schools or districts, legally you’ll have to do one with us. Even if you’ve already done one to get your permit/credential, you will need to do one with us.

    Can I do my TB test and Live Scan background check at the same time at Wellnessmart?

    Yes! You can definitely do both at the same time.

    How do I check to see if Swing has received my background check results?

    We will email you as soon as we update our records.

  • Two of the requirements to be a substitute teacher with Swing are a TB test and a LiveScan background check.

    TB Test Requirement:

    We recommend completing the TB test requirementin one of two ways:

    If you’ve had a TB test in the past four years, upload a copy of a negative scan to your Swing profile.

    If you haven’t had a TB test recently, we recommend doing a TB risk assessment. You can complete a risk assessment at WellnessMart, your local clinic/provider or through our sub onboarding process!

    If you don’t have a current TB test and did not pass the risk assessment, the next step would be to get a skin test. You can do this with the same clinic/provider that administers the risk assessment. (If you get your skin test at WellnessMart, the results will automatically be sent to Swing. If you get it at another provider, upload a copy of the negative results to your profile. Save the receipt for any cost to you, and we’ll reimburse you once you’ve subbed your first day with us.)

    It generally takes 2-3 days for TB tests to be read by a physician.

    Note: If you are not able to successfully complete the TB requirement via risk assessment or skin test, contact us and we will walk you through the next steps.

    How to Give Your Staff View-Only Access

    Keep your faculty in the loop on absences covered by Swing Education substitute teachers by equipping them with view-only access to the Swing platform.

    View-only access is designed for staff who won’t be posting substitute teacher requests or handling billing, but would still benefit from knowing which Swing Subs will be on your campus and where those individuals should go.

    What can view-only access users do?

    Report substitute teacher issues (e.g., late arrivals)

    Leave feedback on substitute teachers directly from their account

    See substitute teacher profiles and request details

    Your current Swing users will continue to have the same account permissions and functionality (unless you prefer otherwise); we recommend view-only access for school secretaries, principals, and even teachers.

    Save Time and Improve Your Swing Experience

    View-only access will help your school staff better support the Swing Subs who visit your campus. (For example, a secretary with view-only access would be able to confirm who the substitute is and direct that educator to the right classroom.) Additionally, staff with view-only access can leave feedback on the substitute teachers at their school directly from their account.
