How do I Update my Emergency Contacts?
Purpose: Learn how to add your own emergency contacts to your employee profile in BambooHR so you can be prepared for any emergencies that might come your way.

To update your emergency contacts, navigate to the "My Info" tab and select "Emergency." Then click "Add Contact."
Enter the contact information for your new emergency contact. If you'd like him or her to be your primary contact, be sure to check that box. Once you've added the information, click "Save Changes."
To edit an emergency contact, simply click in the box you need to edit in order to make changes. Or, click the "X" next to the contact's name to remove them.
Depending on how your administrator has configured your account, updates and changes to Emergency Contact information may require approval before it is displayed on your profile.

How does OneLogin Integrate with BambooHR?
Purpose: To help you understand what OneLogin is used for and how you can integrate it with BambooHR.
OneLogin gives users the ability to launch all their web apps from OneLogin's single sign-on (SSO) portal or from the company's intranet.
You can learn more about OneLogin in BambooHR's Marketplace.
Please note that OneLogin does extend to BambooHR's mobile app so users will be able to login to the app using single sign-on through OneLogin.
Please note you must be a Full Admin user to set up this integration.
How do I Enable the OneLogin Integration?
Login to OneLogin and navigate to "Apps" and select "Add Apps." Search for BambooHR and then click on "BambooHR." You will then be immediately taken into the BambooHR connector.
Confirm the display name and icon for the BambooHR app. Then be sure to select the "SAML2.0" connector. Then click "Save" in the top right corner.
Once you have successfully added the BambooHR app, you will need to specify other details before the integration is complete. Go to the "Configuration" tab and enter your BambooHR subdomain.*
*Your subdomain is simply the first part of your BambooHR URL. For example, if my BambooHR URL is: https://helpcontent.bamboohr.com then my subdomain would be "helpcontent."
Next, select the "Parameters" tab and ensure that the credentials are configured by admin and that the mappings are as follows:
E-Mail = Email
First Name = First Name
Last Name = Last Name
Username = Email
Navigate to the "SSO" tab and copy the following information for insertion into BambooHR:
X.509 Certificate (View Details)
SAML 2.0 Endpoint (HTTP)
What do I Specifically Need to Copy for the X.509 Certificate?
Be sure to copy the entire certificate including the "BEGIN CERTIFICATE" and "END CERTIFICATE" lines.
In a separate window, log in to BambooHR. Navigate to Settings and select "Apps." Find OneLogin and click "Install."
Enter the SAML information into BambooHR by pasting the SSO Login URL (SAML 2.0 Endpoint (HTTP)) and the x.509 Certificate information from OneLogin. You will now be able to click on the BambooHR App icon within OneLogin to log directly into BambooHR.
How do I Map Users to BambooHR in OneLogin?
In order to grant all of your BambooHR employees access to login to BambooHR through OneLogin, you will need to create a mapping. To do this, navigate to "Users" and select "Mappings." Then click "New Mapping."
Follow these steps to create your mapping:
Rename the mapping to "BambooHR Mapping" to easily recognize it in the future.
Under "Conditions", change the selections to "MemberOf" > "contains" > "BambooHR."
Under "Actions", change the selections to "Set role" > "BambooHR." (Note: BambooHR will automatically show as "Default" here if you haven't created a role for BambooHR and you have no other apps in OneLogin)
Once the above information is set, click "Save."
Once on the Mappings page again, click "Reapply All Mappings" in order to establish the new mapping.
Once this is complete, you and your BambooHR users will be able to login to BambooHR via Single Sign-On.
How do I Login to BambooHR Using OneLogin?
Please note that each employee will still receive the "password setup" email when Employee Access is turned on in BambooHR, but they don't actually have to create a password for BambooHR because that is managed through OneLogin. Once the employee is activated in BambooHR, then as long as the email address they have in BambooHR matches the email address in OneLogin, the employee can authenticate through OneLogin and click through into BambooHR from within that app.
Once logged into OneLogin, click on the BambooHR icon to be taken directly into BambooHR.
*IMPORTANT NOTE: If you "log out" of BambooHR, but you are still logged into OneLogin, then you are still effectively logged into BambooHR. If you were to go to your BambooHR login URL in a web browser, OneLogin would recognize you as still being logged in and allow immediate access. PLEASE BE SURE TO FULLY LOG OUT OF ONELOGIN WHEN YOU ARE NO LONGER USING THE APPLICATION.

Purpose: This guide will walk you through the Employee Satisfaction experience.
We want your feedback!
This email is the first notification you will receive about Employee Satisfaction. No action is necessary on your part. This is just to let you know the survey will be coming soon.
Survey
You will receive the survey email one business day after you received the introduction email. Simply select a number between 0-10 based on how likely you are to recommend your company as a place to work.
Is the eNPS Survey Really Anonymous?
Employee Satisfaction in BambooHR is completely anonymous, helping you feel free to provide honest feedback that can lead to real improvements. In order to ensure anonymity, we have taken the following steps:
All employees in BambooHR are assigned an Employee #. We assign a random number to that Employee # and we tie your basic employee demographic information along with it. (User is not anonymous at this stage)
We send you the Employee Satisfaction email survey. When you click to complete the survey, it takes you to a separate URL where the Employee # and Random number have been deleted* from the database. Only your demographic information is tied to your response.
*This information is completely deleted from our database so we are not able to look up who sent which responses.
Once you select a number between 0-10, you will see one of the following questions depending on the score you selected:
If you select a 9 or 10, you will see: "Thank you! We're glad to hear you're likely to recommend <COMPANY>. What makes this place so great?"
If you select a 7 or 8, you will see: "Thank you! What changes could [Company] make to become a better place to work?
If you select a 0-6, you will see: "We're sorry to hear that. What changes could <COMPANY> make to become a better place to work?"
As you respond to the question, you will see a progress bar encouraging you to add more feedback. Don't be shy, your company wants to hear your feedback.
Once you submit your answer, you will see the message below.
Heads up! If you sign your name (or use any other clearly distinguishing bit of information) the survey is no longer anonymous!

How does TRAXPayroll Integrate with BambooHR?

How do I Enable the TRAXPayroll Integration?
BambooHR integrates seamlessly through our API with TRAXPayroll sending information directly into their system. This allows you to keep your employee data as the master record within BambooHR, but do payroll through TRAXPayroll. To enable the TRAXPayroll integration within BambooHR, please contact a Support Hero.
What Data Syncs Between BambooHR and TRAXPayroll?
This information can be found in the BambooHR Marketplace. For more information, please click here to learn more about syncing fields.
When using this integration, all employees must be added in BambooHR. Once the new employee is added in BambooHR, they will automatically sync through to Remote Link in order to be added to TRAXPayroll.
Sync Approved Hours
If you don't have BambooHR Time Tracking and are interested in a demo, click here !
If you are using BambooHR Time Tracking, all approved hours will sync over to TRAXPayroll prior to each payroll run. This is easily done by using the "remote link" feature in TRAX before running your payroll (learn more about the remote link feature below under "How do I Manage Information Flowing from BambooHR...").
If you are using an external time tracking system, you can use the hours importer to manually upload hours worked for employees into BambooHR through a .csv file. As long as the hours worked have been imported before running payroll in TRAX, you will be able to sync the hours through the remote link in TRAX prior to each payroll run.
Approved hours will not sync over to TRAX until it has been enabled in your BambooHR account. Please email us at [email protected] with your name, company, and phone number, and a payroll representative will help you get everything set up.
Sync Approved Time Off Requests
Approved time off requests for paid time off types in BambooHR will sync into TRAX for the relevant pay period for all workers. This is easily done through the remote link in TRAX (learn more about the remote link feature below under "How do I Manage Information Flowing from BambooHR...").
If you are using BambooHR Time Tracking, holidays hours will automatically sync through to TRAX. If you are not using BambooHR Time Tracking, time off for Company Holidays in BambooHR will not automatically flow into TRAX. If you'd like time off for Company Holidays in BambooHR to sync with TRAXPayroll without manually adding them for each employee, follow the instructions below:
Simply create a new time off type for "Holiday" time, or whatever you'd like to call it. You can then have employees request time off for Company Holidays. Or, you can use our time off importer to import time off requests for all employees who will be taking each holiday off. Be sure to follow the specific instructions under "Do you Need to Import Time Off Requests?" in this helpguide.
Once the time off requests are in BambooHR for the time off type you created for "Holiday" time, they will sync over to TRAXPayroll when using the remote link feature.
Sync Direct Deposit and Federal Withholding Information
Direct Deposit
Employee direct deposit information can be updated by going to the "Pay Info" tab and clicking "Update Direct Deposit."
This will bring up a pop-box where direct deposit details are entered. To add a new bank account, simply click "+ Add Account." To delete an existing direct deposit account, hover over the account and click on the trash can icon. There is no limit to the number of direct deposit accounts added.
When adding direct deposit information, it is important to add the bank details in the correct order. As you can see in the screenshot above, the first direct deposit will be a % or $ from the grand total. The next direct deposit will only be a % or $ from what is left of the total. If there is any amount left over after the final direct deposit account has been added, a paper check will be created with any remaining balance. If you would like to receive the entire remaining balance in the last direct deposit account, you will need to set that direct deposit account as 100% of the remaining total. You will then click Save.
If direct deposit information has been added and an employee would prefer to start receiving paper checks, you have the option to quickly delete all direct deposit information by selecting Id prefer a paper check." A pop-up will alert you that by deleting all direct deposit information, the employee will start receiving paper checks.
Employee Tax Information
If using TRAXPayroll to store withholding and state unemployment insurance information, please use this help guide for direction on how to manage this data. If using BambooHR as the system of record, please see below:
Federal Withholding
1. Employees can also be given access to add and edit Federal Withholding information. The withholding information includes:
Filing status: Single, Married, or Married, use single rate
Exemptions: Enter the number of exemptions
Additional Withholding type: Dollar or Percent
Additional Withholding Amount: Enter an additional withholding, if needed.
If the Federal Tax Withholding Status and Exemptions are not entered, the employee will be set to Single, zero.
2. Full Admins within BambooHR will have access to an additional three fields within the Federal Tax Withholding section:
Ignore filing status/exemptions: Check this box to have no federal income tax taken or a specified dollar amount entered. Wages are reported to the IRS.
FICA Exempt: Check this box to have no Social Security or Medicare taxes taken or reported.
FUTA Exempt: Check this box to have no Federal Unemployment taxes taken or reported.
State Withholding
Employees can be given the ability to edit and manage State Tax Withholding information. When a location is selected, additional fields may appear below the Location field depending on each states unique requirements:
Location: Select if the state withholding applies to an employees work or home address.
If Work is selected, BambooHR will use the employees location found in the Job Information table on the Job tab to determine which location and associated address to use.
If Home is selected, BambooHR will use the employees home address found on the Personal tab.
Filing Status: Single, Married, or Married using single rate.
Additional Withholding Amount: Enter an additional withholding, if needed.
Additional Withholding type: Dollar or Percent.
Like with Federal Withholdings, Full Admins will have access to additional fields. In the screenshot above, we see that the Full Admin has the ability to select Ignore filing status.
State Unemployment Insurance
These fields are viewable by Full Admins only. Employees are set to work in only one state for withholding and unemployment taxes per payroll run, though those states can differ. For example, an employee can have income tax withholding in California and unemployment tax in Oregon.
Location: Select whether the state withholding applies to an employees work or home address.
State UI tax exempt: Check this box if the employee is exempt from State Unemployment Insurance Tax.
How do I Manage Information Flowing from BambooHR into TRAXPayroll?
To manage the information being sent from BambooHR into TRAXPayroll, navigate to Bamboo Home. Click the "TRAXPayroll" button in the top right corner in order to login to TRAXPayroll and go to the administrative dashboard.
Once you are viewing TRAXPayroll information, click on the "Remote Link" tab in order to review and approve pending information updates from BambooHR.
When an information update to an existing employee is made within BambooHR, we automatically compare the data between BambooHR and TRAXPayroll and then send an update request which appears on the Remote Link tab.
You can apply the changes to the TRAXPayroll data from the main Dashboard through the Action button. Once the changes sent over from BambooHR have been approved, the employee profile within TRAXPayroll will be automatically updated accordingly.

How do I Create a New Password?
Purpose: As an employee, you can create a new password any time, as long as you have your email address. If you need additional help, an administrator can send you a link to set up a new password. This help guide will walk you through this process.
BambooHR requires an employee to log in with an email address and password, unless you have enabled a single sign-on integration with your BambooHR account. When an employee is enabled with access to log in to BambooHR, they will receive an email with a link to create a password and login. If the employee forgets his or her password, there are two ways to obtain a new one:
Send Password Reset Email to the Employee as an Administrator
As an administrator, you have the ability to send the employee an email with a link to set up a new password. You can easily do this by going to the employee's profile and clicking on the action menu. Then select "Reset User's Password." This will immediately send the employee an email with a new link to set up a password.
A password reset can also be sent directly from the drop-down menu in Access Levels when assigning an employee to an access level.
If the employee didn't receive the first email to set up a password when you enabled their access originally, it is a good idea to check their email address and make sure it is correct before resetting their password and generating a new email.
Send Password Reset Email to Myself as an Employee
Go to your BambooHR URL and click the "Forgot Password?" link to the right of the Login button.
Enter your email address and click the "Send Email" button to generate the password reset email notification.
Password Reset
From within the email notification, click "Reset your password."
Please note that this link is only active for 24 hours, after which it will be deactivated. A new notification and link can be generated at any time by following the same steps above or clicking "Request a New Link" in the email notification.
Enter a new password and click the "Reset Password" button.
Once you click "Reset Password", it will automatically log you into BambooHR.
How do I Change my Password?
You can easily change your password by clicking on your avatar in the top right corner. Select "Change My Password."
From there, you will be prompted to enter your current password and then type in your new password. Click "Save" and you will be required to use your new password upon your next login.

How do I Request Time Off in the Mobile App?
Purpose: Requesting time off is one of the main reasons you will be regularly logging in to BambooHR. This help guide will give you all the resources you need to submit your time off requests for approval.

Request Time Off
There are two ways to request Time Off through the iPhone Mobile App.
Home
My Info: The My Info tab will automatically default to the user's Personal tab. Using the pulldown, tap "Personal" and then tap "Time Off" to view the time off details.
Select Dates
Scroll through the calendar and select the dates you would like to request. If you need to select a date range, simply click the start date and drag your finger through to the end date or click the start date and then click the end date.
Once you have selected your dates, click continue.
Select the Time Off Type
Scroll through and select the Time Off Type you would like to request. Notice the balance that you will have available on the date you selected automatically shows next to each Time Off Type.
Confirm Amount and Add Note
The amount for each day will auto-populate for you but if you need to change the amount, simply tap your finger on the amount and make your changes. Additionally, you will see an option for "Full Day" or "Half Day."
Once you confirm the amount, add a note as to why you are requesting this time off. Then select "Send."
Request Confirmation
Once you have submitted your request, a notification will appear letting you know that your request has been submitted successfully.
Android
Navigate
From Home, click "Request Time Off."
Select the dates you are requesting Time Off for and tap "Continue".
Select the Time Off Type (Vacation, Sick, etc.).
Enter the amount of time for each day you are requesting time off for.
We always recommend including a note with your request, not only for the approver's benefit but also for auditing purposes.
Tap "Send" to submit your request.
Request Confirmation
You will immediately see that your request has been sent for approval.
Other Ways to Request Time Off
Under "My Info", you can navigate to the Time Off tab where you can find the "Request Time Off" button to submit a request. The process will be the same as indicated in the previous section.
Do you want to Request Time Off in the web app?
To request time off in the web app, navigate to the Time Off widget on BambooHR Home.* Click "Request Time Off."
Select the date(s) you need to request time off for. If you are only requesting one day, the start date and end date will be the same.
Select the type of time off you are requesting.
The dates you need to request off will pop-up and the amount of time (hours or days) will be auto-filled. If you need to edit the amount, simply click in the amount box to update it.
Add a note for the approver.
Click "Send Request" in order to submit your time off request for approval. Once a decision has been made on your request, you will be notified via email.
*If you are not using BambooHR Time Tracking, you will see the Request Time Off button in the My Info widget on Home.

How do I Calculate Future Balances?
Purpose: Do you ever plan your time off months in advance? It can be hard to manually calculate your accruals forward to see if you'll have enough time for your vacation. This help guide will show you how to use the balance calculator within BambooHR so you easily can see what your balance will be as of any future date in time.
Accrual Calculator
To calculate your future balances, you can click on the accrual calculator in the Time Off widget* on BambooHR Home. Or, you can navigate to the Time Off tab under "My Info." (see below)
*If you are not using BambooHR Time Tracking, the accrual calculator button will appear in the My Info widget on Home.
The accrual calculator allows you to project a future time off balance for a specific time off type. The calculator can be accessed by hovering over a time off type and clicking the calculate future balance icon. Note that the calculator icon will only be available for time off types that have a policy that automatically accrues. Accrual options set as None do not have the calculator available.
In the mobile app, the calculator icon is located in the top-right corner of the Check Balances screen. For detailed information about the calculator feature in our mobile app, click here.
Select Information
When you click on the "Calculate Balance" button, the accrual calculator will appear. On this page, you will select the type of time off you would like to review (this will default to the type you hovered over to access the calculator) and enter a future date to give you the projected balance of time off you will have accrued by that day.
Click Accrual Details and the accrual calculator will show all applicable time off actions up through the projected future date. In the above screenshot, you can see: accruals, level changes, time off used, and most importantly, that the Vacation balance will be 6.76 days on 12/31/2016.

How do I Upload my Profile Photo?
Purpose: Personalize your employee profile by uploading your photo. This help guide will show you how.
To upload your profile photo, navigate to the "My Info" tab. Hover over the avatar image and click the pencil icon. Drag and drop your image file or click "Choose File" to select the photo on your computer.
Once the photo uploads, move the circle to where you'd like the profile to be. Use the squares to resize the circle. Click "Save" and your profile picture will be uploaded.

What Information is Available on the Timesheet Tab?
Purpose: When BambooHR Time Tracking is enabled for an employee, a Timesheets tab is created on the employee's profile. This article will teach you more about what details are available on the Timesheets tab.

Single Daily Entry
When BambooHR Time Tracking has been enabled for an employee, a Timesheet tab will appear on the employee's profile. You will find the following information on the Timesheet tab:
Pay Period:Select the Pay Period you'd like to show the timesheet for. You can select any pay period in the past 12 months, rolling.
Timesheet Settings:Select whether you'd like to show weekends (please note that days that have hours entered will always be displayed), daily graph (the bar graph in the summary), and pay period totals.
Pay Period Ends:Notice that only days within the current pay period allow you to enter time unless hours in the previous pay period have not been approved. You will not be able to enter hours in the days that are before the current pay period if they have been approved.
Hours Worked:Enter the hours worked for each day here. If an employee has added a note to their time worked, the note icon will show next to the time entry. If the employee has edit access, they will be able to edit any time added to the timesheet until it has been approved.*
Paid Time Off:If the employee has paid time off, it will be displayed on the timesheet. Note that the employee will still be able to enter time worked on that day since not all time off will be for a full day.
Current Day:The current day will show in the account color.
Holidays:Company holidays will show on the timesheet, including the holiday rate for hours worked on the holiday. If your employees do not work holidays and you've set up Time Tracking to give each employee a certain amount of hours for the paid holiday, you will see the total number of hours the employee is allotted for the holiday in the timesheet. Holiday hours for the pay period will only show on an employee's timesheet if the hire date is before the holiday. If the hire date changes, the timesheet will automatically recalculate to only show the holiday if it occurs after the hire date.
Timesheet Summary:Quickly see how many total hours have been worked during the work week and pay period, including overtime. The chart will show gray bars for future days in the period that represent the hours worked that time last week. Once the time is actually entered, the bars will be in the account color. Hover over each bar in the chart to see the number of hours worked and the date.
*The timesheet in the screenshot above is for Single Daily Entry. The screenshot below will show you Multiple Daily Entries.
Multiple Daily Entries
If you are using Multiple Daily Entries for tracking hours worked, the following features will be available on the timesheet:
Clock In/Clock Out:If you've enabled the time clock in Time Tracking Settings, your employees will see a button to Clock In or Clock Out in the top right corner of their timesheet tab. This will also show on Bamboo Home for quick and easy time tracking. If you are not using the time clock, your employees will simply be able to add their time in segments which will allow for multiple daily entries (See below).
Multiple Entries:A history of all working hours will be recorded on each day. Each time the employee clocks in and clocks out, a new line is created. If the employee has edit access to their timesheet they will be able to edit any of the time entries within the current pay period as long as they have not yet been approved. If the employee is not currently clocked in, then he or she will be able to add time manually by hovering over the specific day in the pay period. If there is a note attached to the time entry, you will see the note icon upon hover. If there is a future time entry in the pay period, the employee will not be able to clock in until the time entry is in the past.
Multiple Daily Entries (without a time clock)
Once any timesheets have been approved for the employee, the tab will always appear on the employee's profile, even if the employee becomes salary, is removed from Time Tracking, or is terminated.

Universal Background Screening has partnered with BambooHR to provide an easy-to-use integration which sends pertinent candidate information to the Universal Background client portal. Submit a background check by simply moving a candidate to the "Send to Universal Background" status.
Universal will retrieve the background and verification information of the candidate. When you open the client portal, this information will be pre-populated and you can simply confirm the package and submit it for processing.
Universal will process the background check and keep you informed of the order status. Once complete, Universal will then provide you with a link directing you to the report for easy access to the candidate's background check report.

How do I Enable the Universal Integration?
Create a Non-Employee User
Before you enable the integration, you will need to create a non-employee user in Access Levels in BambooHR. When you add them as a non-employee user, use "Universal" for the first name, and "Background" for the last name. The email address is [email protected]. Grant the non-employee user Full Admin access.
By doing this, you can easily identify the notes Universal Background will be adding to the candidate's profile while the background check is processed and completed.
BambooHR Candidate Statuses
Before you enable the integration, you will need to add a few new statuses to your Candidate Status list in BambooHR's Applicant Tracking feature.
To add new statuses, go to "Hiring" in Settings and select "Candidate Statuses." We recommend you add two new status options to the list:
Send to Universal Background
Received by Universal Background
Using the "Send to Universal Background" status will initiate the background check.
Enable Integration
Universal will provide you with a URL to create your API key. You will log in with your Universal credentials and your BambooHR subdomain.*

How do I Initiate a Background Check in BambooHR?
To initiate a background check in BambooHR, navigate to the candidate's profile and change his or her status to the status you've designated to initiate the request in Backgrounds Online. In the example above, this status is "Background Check Request."
The candidate will receive an email notification with a secure link to authorize the background check package you selected.
Once the candidate submits the information to process the background check, the candidate's status will automatically update to reflect the status you've designated as the in-process indicator (i.e. Background Check Started).
Additionally, a note will automatically be added to the candidate's Notes tab containing a link you may copy/paste into your browser to view more information on the order.
Once the background check is complete, the candidate's status will automatically update to reflect the status you've designated as the results indicator (i.e. Background Check Complete).

How do I Enable the Greenhouse Onboarding Integration?
Log into your Greenhouse Onboarding account. Navigate to Settings. Click "Data Flow" and select "Integrations."
Find BambooHR and click "Enable."
Enter your BambooHR Subdomain* and click "Connect to BambooHR."
If you aren't currently logged into BambooHR, a new window will automatically open up to your BambooHR URL. Enter your login credentials. If you are already logged in, it will automatically link your access.

How do I Enable the Truework Integration?

Go to Truework page in the BambooHR Marketplace and click "Join Now." You will then be directed to enter the *subdomain of your BambooHR account and click "Connect"
*The subdomain is the first part of your BambooHR URL. For example, if your BambooHR URL is https://helpcontent.bamboohr.com then your subdomain would be "helpcontent."
Enter your BambooHR credentials.
If you haven't already done so, create your Truework account. Once completed, Truework will contact you to complete the signup process. Once completed, you will be able to configure templates and your employees can log in and start using the service.
Employee Login Verification
Once logged in, employees can create letters at truework.com/letter." Truework will verify the employer name and their email address and once logged in, the employee will be able to use company created templates to start sending employment verification to third parties.

How do I Add Hours to my Timesheet?
Purpose: Adding your work hours to BambooHR can be done on Bamboo Home or on the Timesheet tab on the employee's profile. This guide will show you how to add hours on the Timesheet tab. If you want to see how to add hours on Bamboo Home, click here.
Single Daily Entry
To enter hours worked, navigate to the "Timesheet" tab on your employee profile. Click in the box next to the day and enter the number of hours worked. Then click "Save Changes." Once you add your time, you will see a note icon. If a note is added, a green note icon will appear next to the entry on the timesheet.
Hours will always be displayed as 00h 00m but they can be added or edited in the following formats:

If a decimal is entered, the hours will be rounded to the nearest minute. Hours can be edited until they have been approved. Once they have been approved, only Full Admin users will be able to make any edits.
Multiple Daily Entries (Without Time Clock)
Multiple Daily Entries without the time clock allows you to manually enter your hours worked multiple times a day.
Simply click "Add Time Entry" on the appropriate day. You will then see a pop-up box where you can enter the time segment. Next to the time segment, you can click the note icon to add a note associated with the time entered. You can add each time segment individually throughout the day or you can enter all time segments in at the end of the day.
All time entries will be collapsed on previous days and only show the first clock in and the last clock out. Click on the day to show you all entries for that day.
If you have edit access to your timesheet, you will be able to hover over the time entry and click the pencil icon to make changes to the times you were clocked in and out. The pencil icon will not appear if you are currently clocked in. Additionally, you will be able to add time segments to previous days as long as the timesheet for the corresponding pay period has not been approved yet. If the timesheet has been approved, only a Full Admin user has access to edit hours worked.
Multiple Daily Entries (Time Clock)
If the time clock is enabled in your account, you will see an option to "Clock In" on the Timesheet tab on your employee profile. Simply click "Clock In" when you are ready to start working. Once you are clocked in, hover over the clock to add a note with your time.
When you take a break, click "Clock Out" and the time will be recorded. A history of all time tracked will show on the current day in your timesheet. You will see a note icon next to the time entry if a note was added. Additionally, you will see an option to manually "+Add Time Entry." This option will only show if you are not currently clocked in.
Please note you will not be able to clock in if you have a future manual entry. For example, if I enter time manually for this afternoon but I want to use the time clock this morning,then I need to wait to enter my time manually for this afternoon until after I have clocked out this morning. This prevents manual time entries from overlapping with the time clock.
If you have edit access* to your timesheet, you will be able to hover over the time entry and click the pencil icon to make changes to the times you were clocked in and out. Once hours are approved, you will no longer be able to make changes.
If time covers two work days, time will automatically be recorded at midnight the employee's time. A clock out at 12:00 AM will be recorded and a clock in at 12:00 AM will be recorded.
*If you want to restrict your employees to only use the clock in and clock out feature instead of edit or add entries manually, you will need to give employees view-only access to timesheets.
There is no limit on the number of time entries per day.
What Happens if an Employee Forgot to Clock Out?
If an employee forgets to clock out, they will be notified the next time they log in to clock out. This notification will show if the employee's clock-in time was the previous calendar day or earlier AND the clock-in time was over 14 hours ago. The employee's options for clocking out will depend on the access they have to their timesheet.
View Only Access to Timesheet
If an employee only has view access to their timesheet, they will see an option to "Clock Out" in the My Info widget on Home. Or, they can navigate to the Timesheet tab to clock out. (see below)
Once the employee clicks "Clock Out," they will see the message above letting them know they should reach out to their manager in order to correct their timesheet. Once they click "Clock Out," it will record the total amounts of hours since they last clocked in and they will have an option to clock in again. They will need to reach out to their manager, or a user with edit access to timesheets, in order to have the hours modified.
View and Edit Access to Timesheet
If an employee has view and edit access to their timesheet, they will see an option to "Verify Time & Clock Out" in the My Info widget on Home. Or, they can navigate to the Timesheet tab to clock out. (see below)
Once the employee clicks to verify their time, they will see the message above. This allows them to enter the correct clock out time. Once the time is updated and they click "Clock Out," the hours worked will be correctly modified and they will have the option to clock in again.

How do I Create a New Goal?
Purpose: To teach you how employees can use Goals within Performance Management and how to add individual goals.

Add a Goal
On the Performance tab, click "+ Add a Goal" just beneath the Goals tab.
New Goal
Name your goal.
Add a short description.
Select due date.
Share your goal (See below)
Goal Alignment (See below)
Note: Once a goal is created, simply hover over the goal and click the pencil icon to edit any details. If you need to delete a goal, simply click the trash can icon.
Share Goals
Oftentimes, goals are a shared effort. Therefore, the ability to share your goals and collaborate with co-workers allows you to unify efforts and complete goals faster and better.
Click the share button to share your goal with other team members who also have access to goals. A goal can only be shared with a specific employee*, not a group of employees. Once a goal is shared with someone, he or she will receive an email notification (see below) letting them know the goal has been shared with them. The goal then becomes one of their own goals and will show up on their Goals tab under Performance and in the Goals widget on Home.
*If you have access to the company directory, you will be able to share a goal with any employee who also has access to goals. If you do not have access to the company directory, but you do have access to other employees through an access level, then you will be able to share a goal with any employee you have access to who also has access to goals. If you have neither access via the company directory nor an access level, you will not have the option to share a goal.
Once a goal is shared with an employee, he or she will receive all email notifications regarding the goal.
Shared Goal
If a goal is shared, you will be able to see who it is shared with next to the title. Simply hover over the images for the employees' name.
Please note the shared goal will show for each employee it is shared with on the Goals Status report.
Notice the goal is now shared with Jennifer and shows on her Goals tab. When a goal is shared, the new employee on the goal will have equal access to the employee who created the goal. This includes the following:
View the goal on their own Goals tab.
Edit the goal (Title, description, percent complete, due date, and complete goal).
Share the goal or remove others from the goal.
Delete the goal.
NOTE: There is no concept of a "goal owner," which means anyone a goal is shared with has equal rights to the goal.
Align Goals
Goal alignment encourages managers and employees to align their goals with organizational objectives. If your team has a unified purpose, you are able to accomplish better results faster.
When a manager is creating or editing a goal for one of their employees, they will see the option for "Goal Alignment." Clicking on goal alignment will show all of the manager's goals and allow them to pick which of their goals the employee's goal aligns with. Each goal can only align with one other goal.
By design, only the direct manager or a custom access user with edit access to the employee's goals will be able to align a goal. The employee is not able to see goal alignment on his or her own goals until the goal has been aligned by someone with goal alignment access. The aligned goal will show right below the name of the employee's goal.
Additionally, the aligned goal will be attached to the employee's goal in the Goals status report.
NOTE: Only those with edit access to goals can see this option to align, but the alignment itself (i.e. showing which goal a particular goal aligns with) will show up for anyone with view rights to the goal. Also, you can only align an employee's goal with your own goal.

Enabling Google Single Sign-On makes it easy for employees to access their BambooHR account using their existing Google account login.

How do I Install Single Sign-On with Google in BambooHR?
Once in BambooHR, navigate to Settings and select "Apps." Find Google and click "Install."
Once installed, all users in your account will immediately be able to log into BambooHR by virtue of their Google authentication.
How do I Log in with Google?
To log in with Google, you will need to be logged into your Google mail account. Then navigate to your BambooHR URL and click "Log in with Google."
Please note that Google Single Sign-On does extend to BambooHR's mobile app so users will be able to log into the app using single sign-on through Google.

Time Off history
What is the Difference Between Earned/Used and Requests in the Time Off History?
Purpose: Your time off history is divided into two sections: Earned/Used and Requests. This guide will help you understand how to effectively view time off history and understand the difference between accruals given and requests submitted.
Navigate
Navigate to the Time Off tab under the Employee Profile.
Upcoming Time Off: This will show all upcoming time off requests, regardless of if it has been approved or not, as well as any company holidays in the next 60 days.
History:Select the time off type and year you'd like to see the history for. By default, the "Earned/Used" view for the current year will be displayed. You can change this by clicking on the year drop-down menu. If you would like to view your request history, click on the "Requests" link.
Earned/Used
The Earned/Used table displays the detailed history for hours/days accrued and used up to the current point in time.
Approved Requests: On the first day of the request period, BambooHR will deduct the full request amount from the current balance and place it in the Earned/Used table.
Accruals: Automatic accruals stemming from the policy assigned to the employee.
Adjustments
Requests
When you click on "Requests", you will find the associated date, comment, status and amount requested for that specific type.There are five available status options for a request:
Canceled: An employee may cancel a request while it is still pending, or after it has been approved as long as it has not yet occurred.*
Requested: A request that is still pending or waiting for approval.
Approved**: A request that has been approved. Notice that the "approved" message is an active link. This allows the employee or an administrator to edit or cancel the request using this link. The employee can only edit a request if it is in the future. Once the request is in the past, the administrator is the only one who can edit the request. If an employee edits an approved request, it will resubmit the request for approval.
Denied: A request that has been declined. Denied requests cannot be edited.
Superseded: A request that was originally made by the employee but is then changed by the employee or higher level user. Once the request is changed, the previous request will show as superseded and the new changes will add a new request with a "requested" status. Superseded requests do not deduct from the employee's balance, but give a full history of the requests.
*For a request that spans over multiple days, it will be marked as having "occurred" if the first day of the period has begun.
**Only requests with an "Approved" status will be deducted from the employee's balance.

How do I Import Users to Blue Marble Global Payroll?

How do I Add my Dependents?
Purpose: During benefit open enrollment, your employer will need to also identify your dependents. Take action now and be a step ahead by entering your personal dependents on your BambooHR profile. This video will show you how to add or update your dependents at any time.

Where can I Upload and View my Documents?
Purpose: This guide will show you how to upload documents to your employee profile.
Upload Documents
If you have been given access, you will be able to upload your own documents to the Documents tab on your employee profile. To do this, navigate to "My Info" and click on the "Documents" tab. Select "Upload" and browse for the applicable document or simply drag and drop the document in the pop-up box. Once you have uploaded a document, it will automatically appear in the "Employee Uploads" folder* and can only be moved to another folder by an administrator.
*Please note the "Employee Uploads" folder will not show up until you've uploaded your first file. Additionally, any files you've attached to an Onboarding or Offboarding task will automatically be uploaded to this folder.

The Documents tab includes any personal documents that have been shared* specifically with you. Click on a folder to see all documents within the folder. Click on the document title to preview the document. The preview pop-up will give you three options: Download, Print or Email the document.
*When you upload a personal document, it will automatically be shared with you.
View Company Files
To view any company files that have been shared with you, navigate to Files. You will only be able to see company files that have been shared specifically with you. Simply click on the file name to preview the file. The preview pop-up will give you three options: Download, Print or Email the file.

How do I set my Timezone and Language?
Purpose: To teach you how to set your timezone and language in your account.
To set your timezone or language, click on the photo avatar in the top right corner and follow the steps as shown below. By default, your timezone will automatically be set to the timezone set for the account until your Location has been added to the Job Information table on your employee profile. Please note that you will only have the option to update your timezone if you are working in a remote location as set by your administrator.
Simply click "Account Settings", set the timezone and language, and click "Save Settings."
Timezone and BambooHR Time Tracking
If you are using BambooHR Time Tracking, setting the timezone is important so we know when an employee's pay period starts and ends. By default, an employee's timezone is the company's timezone. However, once an employee is assigned to a Location then they will be recognized as being in that location's timezone. If an employee doesn't have a location or is part of a remote location, the employee will need to edit their timezone as seen above.

How does the Calendar Function in the Mobile App?
Purpose: Learn how to quickly see who is out of the office as well as any upcoming holidays by utilizing the calendar in the mobile app.
Overview
Your employees will only see Calendar information if their access allows them to see the Who's Out Widget in your BambooHR main account. You can find instructions on how to adjust the employee access to this by clicking here.

How do I Download and Configure the Mobile App?
Purpose: To learn how to download and configure the BambooHR Mobile App for the iPhone and Android Platforms.

Search and Install the App
Search for BambooHR in the App Store.Once you locate the BambooHR app in the search results, touch the "download" option. Once the app is installed, click "Open."

Enter BambooHR Login Information
You will then be prompted to enter the information for your BambooHR account:
Enter your company's subdomain. The subdomain is the first part of your BambooHR Login URL. For example, if I normally go to https://efficientoffice.bamboohr.com when logging into BambooHR, I would only enter efficientoffice into this field.
Enter the full email address that you use when logging in to BambooHR.
Enter your BambooHR password.
Tap the "Log In" button.
Notifications
Upon login, you will be prompted to opt in or out of time off request notifications.
Additional Settings
Within Settings, you can select various options to easily log into the Mobile App.
Use Touch ID to Log In: Touch ID allows you to use your previously authenticated fingerprint. If you do not have Touch ID or Face ID, you will see an option to create a pin for login.

Search
Search for BambooHR in the Google Play App Store. Once you locate the app in the search results, tap on the BambooHR icon.
Install
Tap on the "Install" button and the mobile app will download to your mobile device. After the mobile app is installed, you can open the app by tapping on the "Open" option or by touching the BambooHR App icon found on your Android device.
Enter BambooHR Login Information
You will then be prompted to enter the information for your BambooHR account:

Google Single Sign-On
If your company is using google single sign-on, you will be able to log in with Google.
Fingerprint ID
If you choose, you can use your fingerprint ID* to log in to the Mobile App. You will first need to go to "Settings" under the main menu and turn on the "Fingerprint to Log In" option. Your fingerprint can then be used to quickly access your BambooHR information in the future when re-opening the app on your mobile device.
Additionally, within Settings you will find the following options:

How does the Home Screen Function in the Mobile App?
Purpose: This help guide will give you a general overview of BambooHR's Mobile App Home Screen.
iPhone
From Home, you can easily navigate to the following areas:
Inbox: Shows any pending time off requests that you need to take action on.
Balances:See your current time off balances. Simply swipe left to right in this section to view additional Time Off current balances (if applicable). If you tap on one of your time off balances, you will be taken to your Time Off tab under "My Info."
Request Time Off: Allows you to submit time off requests while on the go.
Inbox Requests:Easily scroll through the time off requests that need your action.
Who's Out:See a quick look of who is out today on your team.

What Features are Available in the Company Directory in the Mobile App?
Purpose: Learn how you can quickly access contact information for your colleagues by using the Company Directory in the iPhone or Android Mobile App.
iPhone
General View
You can navigate to the directory by tapping on "Employees" at the bottom of the screen.The general view of the Directory will show the name, job title, and photo for each employee. When you select a specific employee from the screen, you will be able to see additional contact information for them. (See below)
The Company Directory will be available in the Mobile App only if the option is turned on in your BambooHR account. For more information on how to turn on and configure your Company Directory, click here.
Notice if the employee is currently out of the office, they will show grayed out in the directory and the date range will be displayed.
Search
To quickly navigate to a specific employee, you will want to use the Search feature in the Directory. Start typing part of the employee's name and the search results will change accordingly.
Additionally, similar to the desktop directory, you can search and group colleagues by name, title, department, location, division, and more. For example, start typing in a title and all colleagues with that title or names that begin with those same letters will filter to show only those results, making it easier to find who you are looking for faster.
Filter Directory
Filter the directory by your department, division, location, or by a new filter called My Circle. My Circle automatically consists of your peers (people who report to the same manager you do), your manager, and your direct reports.
To filter the directory, tap the people icon in the top left corner and select the applicable filter option.
Contacting Employees
When viewing an employee in the Company Directory, the following options will be available based on access:
Contact: One of the best features in our Mobile App is the ability to call, text, or email directly from theContact Infodetails. To do this, simply tap on the appropriate icon next to the specific contact detail.
Employee Information
Edit Photo: If you have access to edit an employee's photo, you will see a camera icon over the employee's photo. You will then be able to take a picture or upload a picture from your phone.
Save Contact: You can even save an employee's contact information directly to your personal phone directory or share the contact by tapping the icon in the top right corner of the screen. (See details below)
Edit Information: If you have access to edit information for the employee, you will be able to tap on the field and edit the information right in the mobile app.An employee can edit their own information by tapping on My Info." Add to Contacts
Simply tap "Add to contacts" in order to add the employee's contact details as a personal contact in your phone.
Caller ID
If someone within the directory calls you, the caller ID of any phone number included in the employee directory will appear automatically regardless of whetheryou'vesaved that number or not.

Simply tap the +person icon in order to add the employee's contact details as a personal contact in your phone. Tap the checkmark to confirm the action.

How do I Modify or Delete a Time Off Request in the Mobile App?
Purpose: Learn how to easily modify or delete a Time Off request using the iPhone Mobile App.
iPhone
There are a number of ways to modify or delete a Time Off request in the iPhone Mobile App as shown below:
Swipe to Edit
Navigate to "My Info," and select "Time Off." Here you will see all of your upcoming Time Off requests.
Swipe left directly on the request. This allows you to either "Edit" the request or "Delete" the request. When you select "Edit", it will open the screen shown above where you can tap on the "Amount" box and it will allow you to edit the amount of time taken. For example, perhaps you will now only be taking off half of the day instead of the full day. You can enter the amount from the keypad or you can select the "Half Day" or "Full Day" options below.
Tap "Save" when you are ready to resubmit the request.
Open Request to Edit
Navigate to "Time Off". Here you will see all of your upcoming Time Off requests.
By tapping on the specific Time Off request, it will open the "Request Details" screen. Tap "Edit" in the top right corner. When you select "Edit", it will open the screen shown in the previous example where you can tap on the "Amount" box and it will allow you to edit the amount of time taken. Swipe to Delete

Navigate
Navigate to "My Info" and select the Time Off tab. This will take you to all of the approved or pending Time Off requests. Simply tap on the request that you would like to modify or delete.
Modify
Once you tap on the specific request that you want to modify, you will see the "pencil" edit icon in the top right corner. Tap on the icon and the request will open up. You can modify the days by clicking on each line. Tap "Send" to submit your changes. All modifications will go through the approval process to approve or deny the changes.
Delete
To delete a request, simply open the request and tap on the "pencil" icon in the top right to modify as shown in the previous screenshot. Next tap on the "garbage can" icon in the top right corner of the screen. A confirmation screen will pop up asking you if you are sure you want to delete the request. Tap "YES" and the request will be deleted.

How do I View Time Off Balances in the Mobile App?
Purpose: BambooHR's Mobile App makes it easy to check your Time Off balances while on the go. This guide will discuss where to find your balances and how to calculate a future balance.
iPhone
Home: Current Balances
Easily view your current time off balances on your Home screen. Swipe left to scroll through the balances for each time off type. Types shown are sorted by the most commonly used types company-wide.
Note: An employee will only be able to see balances for the types they have access to view.
Home: Calculate Future Balances
If you swipe left and scroll through all time off types, you will see the option to calculate the future balance.
My Info
If you navigate to "My Info," and select "Time Off," you will be able to see all of your current time off balances. Swipe left, to see all Time Off Types.
To calculate future balances from the Time Off screen, click the calculator to the right of the "Request Time Off" button.
Time Off: Calculate Future Balances
To calculate your future balances:
Select the Time Off Type you would like to see balances for.
Scroll through the calendar and select the date you would like to see balances for.
Notice your future balance at the top of the screen.
You can request time off directly from this screen by clicking the "+" in the top right corner.

Navigate to Time Off under My Info and tap the "calculator" icon in the top right corner.
Select the Time Off Type.
Select the date by which you want to calculate your future balance.
You can request Time Off directly from the calculator by tapping the "+" icon located in the top right corner of the screen.

How do I Approve a Time Off Request in the Mobile App?
Purpose: BambooHR's iPhone Mobile App makes it easy to approve employee Time Off requests. This help guide will discuss how to take action on requests as well as the notifications associated with each action.

Notification: New Time Off Request
When an employee submits a new Time Off request, the appropriate party will receive a notification on their mobile device as long as they have notifications turned on for the app through their phone Settings.
Time Off Requests
Once you are logged in to the Mobile App, you can go to the Inbox to view all requests or you can easily see a quick view of outstanding requests on your home screen.
Inbox
You can easily approve or deny a request straight from the inbox. If you would like to add a comment, click on the request to add a comment.
If you have edit access to the time off type that the request is for, you will be able to see the employee's balance as of that date.
Comment
Employees and the approver can comment back and forth regarding the request if needed. From the comment screen, the request can be approved or denied.
Notification
Once the approver takes action on the request from the comment screen, they will see a notification regarding the update. Then they will be able to add any additional comments if needed.

Pending time off requests can be approved in two different ways:
Inbox: This will indicate how many items require yourattention. Clicking on the inbox will show you all pending requests. Within your Inbox, tapping on the request gives you the capability to approve, deny or comment on the request.
Home Page: Directly from the Home Page, you will see your Inbox Requests. By tapping on the individual request, you canapprove, deny or comment on the request.

How do I View my Requests in the Mobile App?
Purpose: To learn how to review Upcoming Time Off and Time Off History in the Mobile App.
iPhone
Upcoming Time Off
To review your time off history, navigate to the "My Info" tab and select "Time Off."
Upcoming Time Off: Shows any approved requests, outstanding requests and company holidays. If the check mark is green then the request has been approved already. If the check mark is gray then the request is still pending.
History: Scroll down to see the request history. This shows any past time off requests that were either approved or denied.
Edit or Delete Request
Swipe left on any request in order to make edits or delete the request.
Request Details
If you select a request, you can see the specific request details, edit the request, or make a comment on the request.
Android
Navigate
Navigate to "My Info" and then select the Time off tab. From here, you can see which requests have been approved, denied or are still pending. If a request has a green checkmark, then it has been approved. A grey checkmark will indicate that the request is still pending approval.
Request Details
By tapping on the request, it will open up the Request Details. From here, you are able to view any comments added by the approver or the employee as well as add additional comments. You can also modify or cancel the request by clicking on the pencil icon in the top right corner.

How do I View Documents in the Mobile App?
Purpose: To show you how to quickly and easily access documents in the Mobile App.
iPhone & Android
To access* your documents on the mobile app, tap "My Info" and then tap "Documents." Then tap on the corresponding folder.
*If you have access to other employees' documents on the web, you will also be able to see the documents on the employee's profile in the mobile app.
Once you tap on the folder, you will see a list of all documents in the folder. Simply tap on the document to see a preview.
Once you are viewing the document, you can use two fingers to pinch and zoom in or out on the document.
Click the icon in the top right corner to see additional options such as copy, print, save, email, etc.
How do I Upload a Document in the Mobile App?
If you have access* to upload a document, you will see an "Upload" button on your Documents tab in the mobile app.
*If you have access to upload other employees' documents on the web, you will also be able to see the "Upload" button on the Documents tab on the employee's profile in the mobile app.
You can upload a document in the mobile app with one of the following options:
Scan Document - This will open up the camera app on your mobile phone and allow you to take a picture of the document in order to scan and upload it (see below). Once the document is scanned, it will remove the extra space around the document and turn it into a document file.
Take Photo - Use the camera app on your phone to take a picture of the document. This will be similar to taking a regular picture on your phone. It will not cut out the extra space and format it into a document.
Photo Library - Upload an existing photo in your photo library on your mobile phone.
Scan Document
Once the document has been scanned and uploaded, you will be presented with a page to review your capture. You can name the document and then choose a folder to store it in. Additionally, you will see an option to "Add Another Page" if you need to scan multiple pages before saving the document.When viewing a document page, you will be able to rotate the document, re-crop the corners, and enhance the document to color instead of the black and white default.

Next, click on the "Integrations" Tab and then select "BambooHR."
Enter your BambooHR subdomain* and then click "Connect to BambooHR."
You will then be prompted to log in to BambooHR. Once you log in to BambooHR, Kudos will automatically pull an API key from BambooHR to create the integration connection.
*This is the first part of your BambooHR login URL. For example, if my BambooHR URL is https://helpcontent.bamboohr.com,then my subdomain is "helpcontent" as shown in the image above.
You may then choose to "Pull BambooHR Users now" to complete your sync as well as select to "Automatically sync BambooHR users every day."
