Archiving opportunities in bulk
If you would like to archive many opportunities at once, head to your Opportunities list. Select multiple opportunities by checking theboxes next to their names, and choose Archive from the bulk action bar.
snooze
If you would like to archive all of the selected opportunities and move them into your archive, you should select Archive everything from the Choose job dropdown menu. To notify all of the affected candidates, select the option to send an email, and you will be taken to the email editor.
Archiving opportunities in bulk
If you've recently filled or closed a job posting, you can archive all opportunities for that specific job posting. If those candidates whose opportunities you select have other active opportunities, they will only be archived for the opportunity you select.
After selecting multiple opportunities, youll be given the option to select Archive from the bulk actions bar. From here, you will be able to select which job you would like to archive from the selected opportunities. Each role listed in the Choose job dropdown menu exists on at least one of the selected opportunities. If you've selected any general opportunities, without a job posting, the drop down menu will also have an option called "General opportunity.
After selecting a role to archive, you must select an archive reason, and can also choose to send an email to the affected candidates. Electing to dismiss pending feedback requests will stop email reminders for feedback from interviews that were scheduled for the application you are archiving.
You may also see the option to remove upcoming interviews if there are any scheduled for the opportunity you are archiving. Selecting this option means that the associated calendar events will be cancelled and those participating in the interview will be notified by your calendar provider. If you've chosen to send the candidate a calendar event, they will be notified as well!
If you've elected to send an email, the next steps of the process will consist of drafting and previewing your email.
Please note: If you have selected many opportunities, and are choosing to send an email, you may have selected multiple opportunities for the same candidate. Or, opportunities for candidates who have additional active opportunities outside your selection! If either of these cases is true, you will see a checkbox that lets you decide who you want to receive an email. If you use a checkbox to send fewer emails, the candidates will still be archived. Learn more about emailing in bulk here.
If a candidate has active opportunities for multiple roles, only the opportunity for the role that you specify will be archived. The other opportunities will remain in your active pipeline so that you can continue to evaluate the candidate for their additional applications.
This functionality is useful when you want to close a posting and notify all related candidates, but still consider these candidates for other roles they may have applied for. We recommend using the left sidebar to filter the Opportunities list by the specific posting and archiving the related applications from the bulk actions menu. Then you can safely close the posting.
Updating archive reasons or unarchiving in bulk
It is also possible to change opportunity archive reasons or unarchive opportunities via the bulk action menu. Navigate to your archive, and select the opportunities that you'd like to update. To move the opportunities to another archive reason, select the "archive" button.
To unarchive many opportunities, click on the v button in the bulk action menu, and select unarchive opportunities from the dropdown menu. This will unarchive the opportunities and move them back into your active pipeline.
Archive many candidates, but just for a while
When there is a group of candidates who you'd like to remember to reach out to at a later date, take advantage of our feature. Simply select multiple opportunities and choose the "snooze" option from the bulk actions menu.

How do I get started?
Before you and your team can begin creating offers, a Super Admin should complete these steps:
Customize the offer form through the offer settings page. You can learn how to do this here.
Upload an offer letter template through the offer settings page. You can learn how to create offer letter templates here.
If you want employees and candidates to electronically sign the offer letter, ask a Super Admin on the team to enable our Docusign or Adobe Sign integration through our integration settings page.
How do I generate an offer?
Any user who has access to a candidate's opportunity has access to create an offer for it. Thus, offers in Lever can be created by Super Admins, Admins, Team Members and Limited Team Members; Interviewers do not have access to create offers.
Open the opportunity, change their stage to "Offer", and click the "Create offer" blue bar. You can also create an offer from the "..." menu.
help article
Fill out the "Offer details" and click "Next".
If you have offer approvals enabled for your team, you may see the following step appear. This step displays the offer approval chain for the job posting linked to your offer. Your offer must be approved before you can proceed to create the offer letter for the candidate.
After your offer has been approved or if your offer doesn't require approval, click next.
How do I send an offer outside of Lever?
If you're currently sending offer letters outside of Lever, you can manually update the opportunity by clicking "Sending offer outside of Lever?". Upload a signed copy of the candidate's offer letter or indicate that the offer was declined:
How do I send out an offer through Lever?
If there are template placeholders that were not on the offer form, we'll prompt you to fill out that information on this step. Any placeholders that aren't filled out won't be defined on the offer letter, and you don't want that!
Please note: If an offer template placeholder was on the offer form and not filled out on that step, you must discard the offer's approval and go back to that step to fill it out.
Upon filling out all of the placeholder information, preview the offer letter to ensure that it looks ready to go.
You can further customize your offer email to candidates at the bottom of the page.
Lastly, review and click "Send offer".
Who can view details about the offer?
Offers are only visible to Super Admins, Admins, and a subset of other people. For all of the information, read through this list of other offer participants in this .
On the opportunity, you can confirm who can view offer details by looking at the offer section in the upper righthand corner of the profile and clicking on the linked text that says "# others".
If a candidate accepts or declines an offer, the offer status will be visible in the offer section to those who have access.
Users who don't have access to view offer details will see this icon and message when they hover:

Looking for an efficient way to reach out to many candidates at the same time? We've got you covered!
Get started by selecting all of the opportunities for the candidates that you'd like to email:
To select every opportunity in a specific stage, click into a stage in a pipeline tab and check the box at the top of the opportunities list.
Manuallycheck the boxes next to the candidates' names.
To select everyone across all stages in a pipeline tab, click into the pipeline tab you want (Lead, Applicant, Interview, or Archive), and then check thebox at the top of the candidates list. (Be careful with this -- you are potentially emailing a lot of people!)
Please note: If you select a group of opportunities, it is possible that a single candidate has multiple opportunities in the selection. If this is the case, you will be given options to avoid sending duplicate emails in the email editor. Look out for the suitcase icon in the opportunities list, as these candidates have multiple active opportunities.
How do I bulk edit candidate profiles? (Example for option #3)
After you select multiple opportunities, pop over to the action bar, where you can do the following:
Change stage
Archive opportunities and email candidates(be very careful here!)
Add or remove tags
Share with other users
Snooze
We're looking for the "email" button!
After clicking this button, choose the template that you want to send to the candidates for all of the selected opportunities. From here, you can preview the email as each candidate will see it.
A couple of things to note:
Make sure you're in the correct pipeline stage before selecting all candidates in that view.
If you've selected multiple opportunities for the same candidate, you'll see a checkbox to control if you'd like to "send only one email for each unique candidate." This option will be checked by default, to avoid sending duplicate emails to the same person.
If you've selected a candidate with other active opportunities that are not included in your current selection, you'll see an option that says "don't email candidates with other active opportunities." This option is unchecked by default. If checked, any candidates with more than one active opportunity will be removed from the bulk email.
You cannot cancel or "undo" an email that you immediately sent to a candidate.
If you want to cancel a scheduled/delayed email, you must visit each individual opportunity to cancel the email.
If you need to CC or BCC a colleague on the fly, just start typing their email address. If your colleague has a Lever account, we'll automatically displaytheir email address for your selection!

When a candidate applies to your job posting, an opportunity for this role is automatically created in your Lever account. But perhaps you would like to consider this candidate for a different role, or maybe you are sourcing candidates and creating brand new opportunities. Whatever the case may be, you have the ability to manually create a new opportunity for an existing candidate.
To add a new opportunity, click "+Add" in the upper right hand corner of an existing opportunity.
This will open a list of your external, internal, and unlisted job postings for you to select from. If you do not see the job you are looking for in this list, either click the + more option at the bottom of the list to load additional postings, or begin typing to filter for your specific posting.
Tip: You cannot add a Closed or Draft posting to an opportunity.
If you would like to add a new opportunity for a candidate, but you aren't yet sure for which specific role, you can add a new general opportunity by selecting "don't choose job yet."
A general opportunity allows you to consider a candidate without selecting a job, and record any recruiting activity about the opportunity. If you decide to later select a job for the general opportunity, all previous recruiting activity will be associated with the job.
Please note: Beginning with the Fall 2019 release, the user who adds a new opportunity to an existing candidate will own that new opportunity by default.

In Lever, a candidate may be considered for multiple opportunities at one time. All of a candidate's opportunities will be linked, but each can be moved independently through the stages of your hiring pipeline. When you change an opportunity's stage, that new stage history will only be applied to the specific opportunity you've chosen to take action on.
Moving opportunities independently through your pipeline means that all hiring activity will be attributed to each individual opportunity so that you can accurately report on all activities.
A candidate will have a separate profile for each opportunity, but all of these opportunities will be linked to ensure that users are always aware of any other jobs the candidate is, or has been, considered for.
In addition to displaying linked opportunities, users will always be made aware of any hiring activity on a candidate's linked opportunities, without having to navigate between them. Important context related to other opportunities, such as Nurture campaigns, interviews, offers, feedback, and notes, will be displayed in order to give users the most complete view of a candidate's history.

In Lever, you should only have one profile per candidate. When candidates apply to a job posting, we automatically deduplicate by email address to ensure that a single candidate never has more than one profile within Lever.
However, its still possible for users to inadvertently create duplicate profiles for a single candidate. In those instances, Lever will alert you to potential duplicates by displaying a banner on the candidate profile.
blacklisted email addresses
This banner only appears in a few cases:
If we've detected that one of the profile's email addresses exists on another profile.
If the profile's full name matches a name on another profile, including variations of first names. (For example, "Edward Smith" might be raised as a duplicate of "Eddy Smith".)
Tip: We do not count any, middle initials, any text between quotation marks or parentheses, and anything fewer than three characters.
Clicking the link in the banner will display information about potential duplicates. You can open each of these profiles in a new tab to evaluate whether they are indeed duplicates. If you determine these profiles are not duplicates, you can simply dismiss the banner by clicking the X.
If you determine that some or all of the profiles are duplicates, you can simply choose to merge them into a single profile. To do so, simply:
Select all duplicate profiles
Click "Proceed"
Select the primary candidate profile (in the event there is any conflicting data among the profiles, we'll give preference to the primary profile)
Click "Merge Candidates"
Please note: Be careful when merging! Once you merge candidate profiles, you cannot undo the action.

View ArticleTags are one of many components associated with a candidates profile or a Posting. Tags provide you with the ability to easily filter candidates based on a number of categories.
a. Posting tags
Some tags are automatically associated with a candidate.
Fill out our contact form
These tags are based on the Posting that the profile is associated with.
Posting title
Location
Department/team
Work type
Please note: Although these tags are not explicitly displayed in the candidate profiles tags section, they are associated with the profile in the background! So you cannot manually apply them to the profile.
b. Candidatetags by posting
Postingtags are customizable and will be added to the candidate profile when the candidate applies to that posting or is manually added to it. These can be configured from each individual postings editor mode.
c. Source tags
These identify where the candidate came from. Examples include GitHub, Glassdoor, Referral, Posting, Career Fair, Indeed, and AngelList. Much like tags, you can add multiple sources.
Custom URL source tags allow you to track candidates that came into Lever through specific specific job board postings or social media campaigns. These unique source tags will allow you to determine exactly which postings and campaigns results in the most effective hiring. For more information about Custom URL source tags, check out this article.
Referral tags are a special type of source tag. Adding Referral as a Source Tag allows you to import more information. The person adding the tag will have the option to fill out the referral form and include their name, a rating for the candidate, and a short blurb about how they know each other.
Youll notice that Referral source tags are colored differently, drawing special attention to referrals made by your team members.
And within your pipeline at large.
How do I use tags?
We recommend that you work with your team to figure out the best way to use tags. Every company uses tags in a slightly different way and its best when everyone is following the same tagging conventions.
Some companies use tags to note previous positions or industries:
Universities/Education:
Previous employers:
Specific skills:
Need help? Or a second opinion about how youre using tags?

Our EEO features allow you to gain a complete picture of your candidate demographics. You can both display EEO questions on your job postings and survey candidates who don't apply through your Lever-hosted job site.
Note that U.S. federal government contractors are required to collect EEO data for OFCCP compliance purposes. But if your company doesn't contract with the government, you can still use this functionality to track and measure diversity hiring efforts.
How do I enable EEO questions?
To add EEO questions to your job postings, get started by navigating to the companysettings page. You must be an Admin or Super Admin to configure these settings.
Scroll down to the "Equal employment opportunity (EEO)"section.
this form
Click "Configure" next to the "Enable EEO questions" checkbox, and a new window will pop up.
For non-U.S. federal contractors, select "No" under the first question. Then select which questions you'd like to display on your job posting application form.If you choose to enable the survey, the same questions will appear on the survey.
Non-U.S. federal contractor settings
For U.S. federal contractors, select "Yes" under the first question. Then select whether you would like the EEO questions to be displayed in a long or shortened format.
U.S. federal government contractor settings
The long version will show race descriptions on the job application form.
The short version will initially hide the descriptions and allow candidates to expand the full question.
After you've configured your federal contractor status and questions, click the "Next" button.
Designate the job posting locations for which you want to display the EEO questions. EEO questions should only be asked on U.S.-based postings.
Click the blue button to save your changes. The EEO questionnaire will now appear on all of your published and internal job postings.
How do I gather EEO data from sourced candidates and referrals?
We understand that it's important to your team to have a complete picture of your candidate pool. Weenable you to automatically survey and collect diversity information from candidates who don't apply through your Lever-hosted job site, like sourced candidates and referrals. Learn more about how to take advantage of this functionality here.
How do I export answers to EEO questions?
Super Admins on your team can export the anonymized version of the Compliance (EEO/OFCCP) export here.
Super Admins can request an export of their account's EEO/OFCCP datacontaining personally identifiable information by submitting.
NOTE: When filling out the form, please indicate the date range for your export (if any).

Please note:Lever is only integrated with the SterlingOne platform in the US, and the scope of the integration does not include Sterlings Backcheck platform in the UK/Canada, or RISQ for APAC.The Sterling integration requires set up by both the Sterling and Lever teams. If youre interested in using Levers integration with Sterling, please reach out to your Sterling Account Manager in addition to reaching out to your Lever point of contact or Lever Support.
Overview
Drop us a note
At a high level, the Lever-Sterling Talent Solutions integration will initiate a Background Check order in Sterling when a candidate is moved to a particular stage in Lever. Overriding a default Sterling package is supported. Upon stage change, Lever will send candidate details to Sterling and Sterling will send an email to the candidate to add additional information and complete the background check. The status of the screening will be captured in Lever as tags as the screening proceeds. Displaying the screening results as Lever tags is supported as well and configurable. Once the background check is completed, Lever will update the candidate profile with a Sterling-gated link to the background check report and can optionally move the candidate to another stage in Lever.
Setup
1. Contact Sterling: Setting up the Lever-Sterling integration involves reaching out to your Sterling Account Manager to ensure your account is configured correctly for the integration. Simply request the "Standard Lever Integration" from your Sterling Account Manager. Your Sterling AccountManager will provideyou with your Sterling Client Id, Authentication Key and a list of your Sterling packages.
2. Setup in Lever:A Super Admin on the Lever Hire account should navigate to their integration settings page and locate the Sterling integration.
3. Select the toggle to expand the window, and then click the "Send Request to Enable" button.
4. A Lever support representative will automatically be notified of your request and will reach out to request the following information:
Sterling Client Id:Lever needs the Sterling Client Id of your account to configure the integration.
Sterling Authentication Key:Lever needs your Sterling Authentication in order to authenticate the integration with Sterling.
Trigger Stage: The pipeline stage in Lever that automatically triggers the Sterling background check package. (e.g., Background Check).
Default Package(Optional): The package that you want to run automatically when a candidate is advanced to the Trigger Stage. If a Sterling package name is specified in a tag on the candidate profile, we will run that specific package instead of the Default Package.
Stage on Clear (Optional): The pipeline stage that you want the candidate to automatically advance to when the Sterling background check clears.
Show Results (Optional):The results of the candidate's background check will appear as a tag on their profile (e.g., "sterling - alert", "sterling - clear", or "sterling - n/a"), should you decide to enable this functionality.
Authorization:Lever requires that a Super Admin on the account provide authorization to add the appropriate API key and webhook settings in your Lever account - do not delete these, or the integration will stop working!
Creating a Sterling Order from Lever
Onceyou'vecompleted setup, any candidate that is advanced to your Trigger Stage will be sent an email from Sterling to complete the background check. Lever will send candidate details including name, email address, and the candidate's Lever Candidate Id to Sterling. This data will be used to pre-populate a Sterling order for the candidate as demonstrated in the flowchart and screenshot below. In this example, the tag "Standard Package 1" is the name of the Sterling package used for the candidate's background check.
The candidate will then receive an e-mail invitation from Sterling to begin the background check process. Once the invitation has been sent, Lever will add the tag "sterling - new" to the candidate profile. The candidate then fills out the Sterling background check form. Once the candidate finishes filling out the form, the tag sterling - pending is added to the candidate profile. There will only be one Sterling status tag on a candidate's profile at any given time.
A full table of the possible tags can be seen below. There will only be one Sterling tag on a candidate's profile at any given time.
Lever Tag
Sterling Order Status Description
sterling - new
The screening request has been initiated
sterling - cancelled
The screening request has been cancelled
sterling - pending
The screening request is in progress
sterling - error
The screening request errored out or expired during processing due to system-related issues
sterling - release
Indicates that the submitter didnt select to use Sterling electronic disclosure and authorization form. Therefore, either through the integration or through a manual process, the release form must be provided to Sterling
sterling - completed
The screening request is complete
sterling - alert
At least one subcomponent of the screening report includes a discrepancy. If any subcomponent returns an alert value, the entire report will display as an Alert. Examples include: Employment and/or Education verification results (i.e. Discrepancy or Unable to Verify) etc.
sterling - clear
All subcomponents returned a clear value meaning there is nothing the customer has to review. We always advise customers to review all reports, but each subcomponent returned a clear value
sterling - n/a
There are a few products where a resultcan'tbe determined and therefore the value is N/A. For example, Sterlingwon'tdetermine if a credit report has an alert or clear status
sterling - meets criteria
Passed all screenings
sterling - review
Minor discrepancies in one or more screenings, need client review
sterling - does not meet criteria - review
Failed screening criteria, need client decision
Once the candidate has been sent to Sterling, you'll be able to see the pending Sterling invitations in the Upcoming Due Dates section in theSterling dashboard:
Once the candidate submits the background check form, the Sterling status will change to sterling - pending. When the background check is complete, the tag in Lever will change to "sterling - completed" as demonstrated in the screenshot below.
When the detailed background check report becomes available, the integration will add a gated Sterling link to the links section of the candidate profile as shown in the above screenshot. You will need to login to Sterling to view this link.
Overriding your Default Package
During setup, you have the option to provide a default package to send to all candidates that reach the trigger stage. However, you can also run different packages for different roles and candidates! In order to override the default package (or select a package if you did not provide a default package), simply add a tag with the name of the Sterling package to the candidate's profile before advancing them to the trigger stage! Remember that you can automatically tag candidates on Posting-by-Posting basis.

View ArticleLevers webhooks allow you to seamlessly move candidates that are hired in Lever into your HRIS, minimizing time spent on manual data entry.
We even support one-click integrations with the following HRISs:
Namely - How do I enable Lever's integration with Namely?
Zenefits How do I enable Zenefits integration?
BambooHR - How do I enable Lever's integration with BambooHR?
ADP Workforce Now - How did I enable ADP Workforce Now integration?
For all other HRIS systems, including Workday, we recommend our custom webhook solution.
Getting started with a custom integration
To get started you will first want to enable and configure the candidate hired webhook for your account in Lever. To do this, you must be a Super Admin in Lever.
Visit the Webhooks tab on your accounts integration settings page.
Levers API support!
Then click to toggle on the candidate hired webhook and enter a callback URL. You can even verify that Lever can successfully POST to the provided url by clicking the verifybutton.
Now that the candidate hired webhook is enabled, Lever will POST to the provided callback URLevery time a candidate is marked as hired.
To see what other event types your custom integration can utilize, check out the list of webhooks events under API Overview > Webhooks.
Handling Webhook Requests
For HRIS integration, we recommend building a web server to receive the webhook requests from Lever and transform the data into a format consumable by your HRIS system.
Here is an example of how you can build your custom integration:
A candidate is marked as hired in Lever and Lever POSTs a webhook request to the URL configured in integrations settings.
Your web server receives the request and verifies that the request came from Lever using the request signature. You can find more information on how Lever generates its request signature for webhooks in our developer docs.
Your web server uses the candidateIds from the request body to request additional data for the candidate from Levers Read API. For example, you can retrieve the candidate profile to get the current stage of the candidate or get the candidates profile forms to determine their start date. Note that a candidates profile forms can be customized in your account to capture any additional information your HRIS integration requires.
Your web server formats the candidate data in a consumable format for your HRIS and sends the data into the system to create a new employee record.
To learn more about what candidate data you can request from Levers Read API, check out the full list of resources in our developer docs.

A Nurturetemplate sets the framework for how you send emails via Lever Nurture. To create a Nurturetemplate, navigate to your Nurture template settings (temporarily still labeled "Workflow templates"). You can choose to create a new Nurturetemplate thats visible only to you (My Templates) or your team (Team Templates). After selecting New, a Nurturetemplate will appear on the right side of your screen.
start a Nurture campaign
Nurture campaigns consist of the following elements:
1 start step
At least 1 touchpoint
A wait step between each touchpoint
1 finish step
1 final action step
The start step defines when your first touchpoint will be sent after the campaign has been successfully scheduled. Click into the start banner to edit the specific day and time that the first touchpoint should send. You can either choose a time automatically generated from the dropdown list or enter your own customized time. Click Done when you are finished making your selections.
Touchpoints are the emails that will be sent to candidates. Click into Touchpoint 1 to craft your first message. The message editor functions similarly to creating emails in other parts of Lever.
In addition to Levers standard email functionality, you can also change the email sender to two options:
Senders email - the message is sent from your own email address
Send For - the message is sent from another users email address
Send For allows you to send emails on behalf of other members on your team, diversifying your message across other stakeholders in your organization. In order to enable Send For with other users, you will need to first request permission. Please note that you can only make Send For requests to non-Interviewer Lever users in your organization.
You can insert auto-text tokens to populate your touchpoint with common candidate profile fields from Lever. Insert a placeholderto set a manual-text tokenin your touchpoint (this field will later be filled out once you start a Nurture campaign). A placeholder typically corresponds to an attribute that cannot be automatically generated in Lever. For example, users may choose to create placeholderslike {{skills/experience}} or {{years in last company}}. More information on placeholderscan be found here.
You can add as many touchpoints to a Nurturetemplate as you want. Adding a touchpoint will also add a corresponding wait step before the new touchpoint.
A wait step defines the timeframe between the last touchpoint sent and the next touchpoint. Wait steps can be edited to a custom duration. A waitstep is always followed by an additional touchpoint.
The finish step defines when the campaign will end and how long before a specified action is taken on the candidates.
Upon satisfying the finish step, candidates can be archived, snoozed, or have no action taken on them.
Just below the campaign title, you can enable emails to be automatically sent as replies to previous touchpoints in your campaign. When enabled, touchpoints sent from the same email address will thread together. In addition, the subject lines of subsequent emails in a thread will be locked down to mirror the same subject line as the initial touchpoint.
Example:
Touchpoint 1 is sent from [email protected]
Touchpoint 2 is sent from [email protected]
Touchpoint 3 is sent from [email protected]
When you enable emails to be sent as replies, Touchpoint 3 will be seen as a reply to Touchpoint 1 and will thread into the same email conversation. The subject line of Touchpoint 3 will be locked to mirror the same subject line as Touchpoint 1.
Touchpoint 2 will remain in a separate email thread because the message was sent from another email address.
Once you have finished creating your new Nurturetemplate, remember to title the campaign, and hit Save Changes.
Now youre ready to !

What does this mean?
It means that a particular setting on your DocuSign account hasn't been enabled.
To successfully integrate DocuSign with Lever, please contact your DocuSign account manager with this exact language:
We are receiving the error This Account lacks sufficient permissions. In-Session Permission is required when specifying a captive recipient. This error is known to be associated with In-Session signing not being enabled on the account. In order to send documents using Lever's integration with DocuSign, I would like to ask you to please set the In-Session signing to "enabled" in the Admin Console and in Account Plan Editor.

Only Super Admins and Admins can manage users.
Just hired an important employee who needs to be a Super Admin in Lever? Super Admins can access all hired candidate profiles, so you might be worried that they can read their own feedback and notes. Have no fearyou can prevent any user, regardless of access level, from seeing their own hiring details!
Were able to do this by looking at which hired candidate profile is associated with the user. Lets explore two ways that you can create this association!
Method #1: Add a new user.
Adding your new employee to Lever is the best time to associate their Lever user account with their hired candidate profile.
As a Super Admin or Admin, navigate over to your Team settings page and click on the blue "Add new user" button in the upper right-hand corner.
LinkedIn Recruiter
A screen will pop up that lets you fill in the users email address and full name. Beneath this is where youll associate the user with their hired profile!
The search results will show the relevant results for candidates who are archived as "hired". Click the blue "link" button next to the appropriate profile to create the connection.
If you accidentally select the wrong profile, simply click "Edit" on the selected result, then "Unlink".
Then proceed with the rest of your user setup!
Method #2: Update an existing user.
On your Team settings page, you may notice alert symbols next to a users access role for users who are not Interviewers. This alert will tell you which usersaren'tlinked to their hired candidate profiles. If the user is a Super Admin or becomes a Super Admin, this means they will be able to see their own hired profile.
Click anywhere on the users row, and a screen will pop up that lets you edit the user and search for their hired profile! This process is the same as the first method.
What does someone see when they look at a hired profile?
When a user views a hired profile linked to their Lever user, they will see an error message, like the one shown in this screenshot:
If you are a Super Admin and you are viewing a hired profile that is not linked to your Lever user, then you can see everything on the profile.
If you are an Admin, Team Member, or Limited Team Member, you will see the limited view shown above, just with a different error message: "Full details of hired candidates are only visible to Super Admins."
Users with an Interviewer role do not have access to profiles, so they cannot view hired profiles.
What type of information is visible on a hired profile?
If you are not a Super Admin, the following pieces of information are the only ones visible to you:
Candidate name
Headline (this is the field beneath the candidate name, which is usually populated with previous companies)
Profile owner
Hired date
Origin
Profile tags
Source tags
Email addresses (After a candidate profile is associated with a Lever user, we will add the Lever users email address to the profile.)
Location
Profile links
Phone numbers
The option to connect the profile to, if the integration is enabled
View ArticleThis integration is only available to teams that are entirely based on Office 365 and are not using any on-premise Exchange servers. If youaren'tsure about your companys configuration, please reference this help article and/or ask a member of your IT team to reach out to us.
There are many components to our Office 365 integration: login, email, and scheduling. In this article, we will discuss how to email candidates using your Office 365 account.
How do I send and receive emails from/to my Office 365 account?
This is an opt-in feature. Lever only syncs email with your permission. We use an authentication standard named OAuth, so we do not receive or store your Office 365 credentials.
Just tick the Email permissions box on your account settings page. After you hit the save changes button, well show you an Office 365 screen through which you can authorize us to send emails on your behalf.
Once permissions have been set up, youre ready to send and receive emails!
When you send an email to a candidate, we will send the email using the Office 365 account that you gave us permission to email from. (We cannot send emails from email aliases.) Youll see these emails in your Office 365 Sent folder. When the candidate replies to your email, youll see their response in your Office 365 inbox.
Tip: We assign a Lever category to each message in an email thread started from Lever. Categories can be used to filter your emails in Outlook! You can assign a color to the Lever category by right-clicking on the message, selecting Categorize, and hitting Manage Categories (the exact instructions and screenshot will vary by client). From there, choose to add a new category named Lever.
What is synced?
On the candidate profile, well display any emails sent to a candidate from Levers interface. If the candidate responds to an email sent from Lever, well display their response as well.
To sync conversations that occurred outside of Lever, go to the candidates profile and click on the refresh symbol next to the candidates email address. You can also navigate to the profiles Emails tab and click on the import candidate email button to accomplish the same refresh.
When you do this, we will check your Office 365 accounts Inbox folder to find and sync any unsynced email threads between you and the candidate. Anyone who has access to a candidate profile can sync their emails with that candidate!
Because Lever syncs directly with your "Inbox" folder, messages routed to different subfolders in O365 will not sync, so it's best to ensure a copy of the email is received in your "Inbox" folder even if you'd like to send a copy to other subfolders as well.
Can I sync emails other members of my team has received?
Levercan'tsync with someones Office 365 inbox without their permission. After a team member has granted us permission to sync emails, they can navigate to any profile they can access and manually import their conversations with a candidate.
Im not seeing any emails from a candidate I know Ive emailed.
Please make sure that the email address on the candidates profile in Lever matches the one in your Office 365 sent folder. Then try following the earlier instructions for syncing emails.
How do I make an email secret in Lever?
Just like notes and feedback forms, you can make emails secret by clicking on the lock icon. The secret mode is applied to the entire thread and makes it visible to only to the person making the email secret, email participants, Super admins, and Admins. Its not possible to make individual emails inside a thread secret.
How do I remove an email thread from a candidate profile?
Lever will never delete any emails from your Office 365 account. Clicking the trash icon next to the email will remove the email from the candidate profile, but keep the original intact in your email inbox.

This help-article will walk you through the field mapping for the Lever-ADP Workforce Now integration. For an overview of the integration, please see How do I enable and use the ADP Workforce Now Integration.
Levers ADP Workforce Now integration allows you to streamline operations by automatically pushing new applicant onboard records to ADP when candidates are hired in Lever. Available information from Levers candidate profile, requisition, offer, and profile form are pre-populated in ADPs New Hire Wizard, and therefore saves time and improves data entry quality. The field mapping can be done during or afterenabling and setting up the Lever-ADP integration.
Lever-ADP Field Mapping Chart
The following field mapping chart outlines the fields used by the Lever-ADP Workforce Now integration.
Additional fields can be passed from Lever to ADP Workforce Now for pre-population by setting up an ADP Integration Form profile form and/or by adding custom fields to the Requisition object in Lever. Please make sure that the fields configured in Lever match the data type and values configured as listed in the chart below. Please note, configuring your profile forms and/or requisition custom fields is a one-time setup.

Archiving profiles in bulk
If you would like to archive many candidates at once, or if you would like to archive many applications at once, head over to your Candidates list. Select multiple candidates by checking theboxes next to their names, and choose Archive from the bulk action bar.
snooze
If you would like to move all of the selected candidates into your archive and archive all active applications, you should select Archive everything from the Choose job dropdown menu. To notify all of the affected candidates, select the option to send an email, and you will be taken to the email editor.
Remember that archiving a profile in this way will archive all active job applications on their profile!
Archiving applications in bulk
If you've recently filled or closed a job posting, you can archive all candidates for that specific job posting. If those candidates are being considered for multiple job postings, they will only be archived for the job posting you select. If those candidates are only being considered for the job posting you select, their entire profile will be archived.
After selecting multiple candidate profiles, youll be given the option to select Archive from the bulk actions bar. From here, you will be able to select which job you would like to archive from the selected profiles. Each role listed in the Choose job dropdown menu exists on at least one of the selected candidates. If you've selected candidates without any active considerations on their profile, the drop down menu will also have an option called "General consideration.
After selecting a role to archive, you must select an archive reason, and can also choose to send an email to the affected candidates. Electing to dismiss pending feedback requests will stop email reminders for feedback from interviews that were scheduled for the application you are archiving.
You may also see the option to remove upcoming interviews if there are any scheduled for the application you are archiving. Selecting this option means that the associated calendar events will be cancelled and those participating in the interview will be notified by your calendar provider. If you've chosen to send the candidate a calendar event, they will be notified as well!
If you are using our O365 email and calendar integration, you will not have the option to delete calendar events for upcoming interviews in bulk. This is due to limitations with Microsoft's API. You will still see the list of candidates that have upcoming interviews. You can use this list to navigate directly to the candidates' profiles and cancel the interviews. When you cancel an interview directly from the profile, the calendar eventwillbe deleted as well.
If you've elected to send an email, the next steps of the process will consist of drafting and previewing your email.
If a candidate has active applications for multiple roles, only the role that you specify will be archived. The profile will remain in your active pipeline so that you can continue to evaluate the candidate for their additional applications. If no active applications remain, the profile will be moved into your archive.
This functionality is useful when you want to close a posting and notify all related candidates, but still consider these candidates for other roles they may have applied for. We recommend using the left sidebar to filter the Candidates list by the specific posting and archiving the related applications from the bulk actions menu. Then you can safely close the posting.
Updating archive reasons or unarchiving in bulk
It is also possible to change profile archive reasons or unarchive profiles via the bulk action menu. Navigate to your archive, and select the profiles that you'd like to update. To move the profiles to another archive reason, select the "archive" button.
To unarchive many profiles, click on the v button in the bulk action menu, and select unarchive candidates from the dropdown menu. This will unarchive the candidate profile and all applications on the profile.
Archive many candidates, but just for a while
When there is a group of candidates who you'd like to remember to reach out to at a later date, take advantage of our feature. Simply select multiple candidates and choose the "snooze" option from the bulk actions menu.

If you would like to surface images alongside objects created via the data API, you have the ability to add an image to an API key any time a new key is created. To create a new API key, visit the API credentials tab of your Integrations settings. Under Lever API Credentials, click the generate new key button.
Once you have begun the key generation process, you will have the option to drag and drop your image, or upload an image from your computer to be used by the API key.
The image you select must be in .png format, and smaller than 500 kb. For best results, use a square image no larger than 400x400 pixels and is on a white, or solid color background.
After uploading an image to an API key, this image will be displayed in Lever on objects (ex. forms, notes) created using this key. The endpoints that will display this image when a key is used are denoted by an asterisk when selecting the permissions for your API key. Currently, images can be used with the create note and create profile forms endpoints.

Lever's Diversity Insights allows you to create a customizable survey and track candidate responses, providing the data you need in order to understand your team's progress on diversity and inclusion initiatives.
Where can I find Diversity Insights?
Lever's Diversity Insights feature is located under Settings -> Company -> Surveys tab. Once this feature has been released to your account, visit your Surveys settings to configure Diversity Insights.
Configuring the survey
https://hire.lever.co/reports/export/surveys
You can configure your Diversity Insights survey in three easy steps! Begin the configuration process by clicking on "Configure survey" next to the gear icon.
1. Questions
This is where you will create the questionnaire that is presented to candidates. There is a default survey already configured, but it is highly recommended that you edit the survey so that the information gathered will be relevant to your company's diversity efforts.
Please note: Lever's Diversity Insights currently only supports a single survey.
First, decide on a title and provide candidates with instructions. The instructions should contain everything that candidates need to know before filling out the survey, including why you are asking them for this information. Next, you'll need to decide on what questions to ask. Additionally, you can add clarifying instructions by clicking on "Add description" under the question title. You'll also need to add response options for each question.
Decide on how you want candidates to respond to your questions - Diversity Insights currently only supports multiple choice and multiple select type questions. You can use the ellipsis menu on the right to duplicate or delete questions, and you can use the arrows to re-order your questions. To delete a response option, hover to the right of the response option and click on the trashcan icon that is revealed.
2. Locations
The next step is to configure which postings include the survey as a part of the application process. You can include the survey on all postings by selecting "All locations" or you can select "Choose locations..." and decide on a per-location basis. The survey will appear on all Lever-hosted application pages where the posting is based in one of the selected locations. This includes the external and internal job sites.
3. Non-applicants
The final step is configuring the survey for non-applicants. You can choose whether or not you want to survey candidates that did not apply via the job site. Next, you'll need to specify a threshold stage. A survey will be sent to a candidate if they are associated with an application that wasnot created via the job siteand advanced to, or beyond, the threshold stage. A survey will also be sent if a non-job site application is added to the candidate's profile while they are in, or beyond, the threshold stage.
Please note: The stages "New Lead" and "New Applicant" may not be used as trigger stages. This is to prevent sourced and referred candidates from unintentionally receiving the survey when they are added to your pipeline.
When the survey is triggered, Lever will send a customizable email to the candidate's primary email address and CC their secondary email addresses. Use the "Survey email" section to customize your email. You can add auto-text tokens using the "<->" menu on the right. Scroll down to the bottom of the page and click "Show preview" to see what your email will look like. The email can only be triggered once per posting, but a candidate may receive multiple email surveys if they have multiple postings. Once submitted, survey responses are not editable.
Please note: Your survey must contain the "{{Survey link}}" auto-text token. If you do not include the token, it will be automatically appended to the end of your email.
A story will be added to the profile when the survey is sent to the candidate. If you manually add a job posting to a candidate's profile, the survey will send 15 minutes after the posting is added. This will help prevent accidental surveys from being sent!
Reporting
You can easily download the responses to your survey in the Reports section of Lever. You can navigate there by clicking "Download survey results" on the "Surveys" tab in your company settings, or you can navigate there directly by going to. Only Super Admins can download this data.
Please note: The information in the survey results is very sensitive. Be careful about how you handle and share data from this report.
To download the survey, select the start and end dates that you would like to report on. You can also use the dropdown menu to select "smart" timeframes, such as year to date, last month, or trailing quarter. Click "Download spreadsheet" and your report will be generated!
Diversity Insights provide a flexible way to measure demographic data that are important to your company.
View ArticleIf you see a candidate you'd like to move forward with, expand the Notes section by clicking in the "Add note" box.
Leave a comment about the candidate and @-mention your recruiter or hiring manager. You can choose to share your note with all of your coworkers who are following the profile.
You can also move the candidate to the next step in your hiring pipeline ( see Tracking candidates ), or archive them if they are not a good fit.
All past ratings on this candidates are accessible under the "Feedback" portion of the candidate profile. The total rating helps you decide if this candidate should be advanced or archived.

Levers Dynamic Offer Sections can easily reduce the amount of offer templates you and your team need to create and manage per role (or for separate roles) by generating paragraph text from your offer letter. Dynamic Offers can minimize the time you spend on creating different offer templates for information such as, candidate bonus, relocation or equity in an offer letter to candidates.
Please note: Dynamic Offers is available for customers using offers in Lever. Levers Dynamic Offers will require you to build conditions and add opening and closing tags to each of your offer templates from your offer settings. The condition format must be edited in your existing offer template and saved as a file using your choice of text editor and uploaded back in Lever. Conditions require an opening tag and a closing tag. The opening tag should always start with a hashtag # and should end with a closing tag {/}
Understanding conditions and how they work in Lever
Conditions populate information in the offer letter, from a rule and value on the offer form. Conditions are based around offer template placeholders, which correspond to a field on the offer. Just like placeholders, conditions are written and inputted directly into your offer letter template. First, please make sure you have defined your offer placeholders here.
Types of conditions to use in your offer template
Getting Started
Once you have identified which condition format and type you would like use (reference the table above) in your offer template, proceed to your offer template settings in Lever and select the appropriate offer template.
1. Go to your offer templates settings, open the offer template that you wish to add dynamic offer sections to, and download the file.
2. Open the file in your preferred document editor (e.g., Microsoft Word, Google Docs, etc) and add placeholders to sections of the offer letter that you wish to show based on values in the offer.
In the example above, you can see that a few different types of conditions are being utilized. The blocks of text, along with their respective dynamic placeholders, are shown in specific colors only for the sake of visual clarity.
4. Save offer template and upload back into Lever.
Final Step
Once you have uploaded your offer template back in Lever, you can proceed with your normal workflow when creating an offer for a candidate. Below, you can see an example of an offer form for a specific candidate.
Once a user has moved forward into the offer letter section of the offer workflow, they can select which offer letter template to use, and click to preview what the offer letter to this specific candidate will look like:
Note that in the above screenshot, there are no sections for Relocation Bonus or Stock Options. This is because when the offer details were provided for this specific candidate, the Contains relocation bonus dropdown selection was set to No and because the candidate was granted 0 stock options, so the conditions that would trigger the appearance of those sections were not satisfied.
