  • Below are the steps to re-install the SAP Business One client. If you are performing a fresh install, please start from Step 8.

    Uninstall all the following SAP components (32-bit or 64-bit).

    Uninstall MaxDB if it is in the program list.

    Remove or rename folder: C:\Program Files (x86)\SAP and C:\Program Files\SAP

    Remove all files under %temp% folder.

    Remove or rename SAP folder under Windows user profile:C:\Users\[Windows account]\AppData\Local\SAP.

    Open Window Registry, remove SAP folder under: HKEY_CURRENT_USER\software and HKEY_LOCAL_MACHINE\software

    Reboot computer and login Windows as Local administrator user.

    Navigate to SAP Shared Folder "\\[SAP server name]\B1_SHR", choose Client OR Client.x64 folder. Right click and run "\\[SAP server name]\B1_SHR\Client.x64\setup.exe" as Administrator and install SAP client by following the wizard.

    Run SAP Business One as administrator for the first time, log in to SAP as a user, and wait for all add-ons to be installed automatically by following the prompted wizard.

    Note:To determine to use 32-bit or 64-bit client, please follow the steps below:

    Check the Windows Operation System, if it is 32-bit, you could only install 32-bit SAP client; if it is 64-bit, please use next step to determine which version to install

    Check an existing installation on another workstation. You would usually the version on the name of the desktop shortcut. Alternatively, login to SAP Business One and navigate to Modules >Administration > Add-on > add-on manager. If there are any add-ons shown as x86, that means 32-bit. If add-ons are shown as x64, that means 64-bit. Please install the same version of client as the add-on.

    If no add-on is used, you could use 32-bit or 64-bit but we would suggest to use 64-bit as it handles memory better.

  • The Last Prices Report allows you to analyze the last sell or buy prices on either sales or purchasing documents. It's a helpful tool for any sales or purchasing staff to quickly call up the actual price history of an item. There are two ways to access this report.

    Option 1: Run Report from Main Menu

    You can access it through the main menu under: Inventory > Inventory Reports > Last Prices Report. Be sure to uncheck theBP Code box so you can choose from either Vendor or Customer documents.

    Option 2: Run Report Directly from a Sales or Purchasing Document

    You can also run the report right from a sales document, like a A/R Sales Quote, or a Vendor Purchase Order.

    Under the Contents tab of the marketing document,put your cursor in the Unit Pricecolumn on the item line you want to run the report for.

    Press Ctrl + Tab on your keyboard to launch the Last Prices Report for that particular item. The prices will be initially filtered with respect to sales documents. If you uncheck the BP Code box in the top left corner, you can select Vendor documents to check the last purchase prices. Prices will then only display for purchase documents if you click the refresh button in the bottom left of the screen.Watch the video below for a quick demonstration.

  • In addition to standard keyboard shortcuts, SAP Business One gives you the flexibility to create custom ones for tasks that you perform regularly. Check out the step-by-step instructions and video demonstration below to learn how.

    In the top menu bar, navigate to: Tools > My Shortcuts > Customize

    Select what you would like your shortcut hotkey to be

    Select the Module and Window you want to assign the shortcut to.

    Click Allocate.

  • When entering data into the date fields in SAP Business One, many people take the time to manually type in the complete date. If you're entering a long list of documents, this can be cumbersome and takes more time that it needs to.

    SAP Business One includes date field handy shortcuts that you can use to save yourself time on data entry.

    To enter a date in the current month: Enter the 2-digit day (e.g. 15), then hit Tab on your keyboard. The current month and year will auto-populate.

    To enter a date in a different month: Enter the 2-digit month, the 2-digit day (e.g. 0315), then hit Tab on your keyboard. The current year will auto-populate.

    To enter today's date: Enter any letter on your keyboard, then hit Tab. The current date will auto-populate.

  • There are some functions in SAP Business One that aren't commonly used by all companies. To keep your menu structure clean and easy to navigate, you can hide these functions.

    Under Modules in the main menu, go toAdministration > System Initialization > General Settings > Hide Functions tab.

    Check the boxes for the functions you want to hide:BudgetPayment WizardDunning WizardCost AccountingSerial Numbers and BatchesProductionMRPUnits of Measure

    ClickOK. The selected functions will no longer appear in your Modules menu.

  • Understanding the Impact of Unpriced Items

    TheRemove Unpriced Items option in SAP Business One is intended to reduced your database size. When you create an Item Master, there are a number of background tables being affected Item Master Table, Item and Warehouse Tables, and Item Pricing Table.

    We're going to focus on the Item Pricing Table. This table populates every item and price combination. For example, if you have 100 items in your database and 10 price lists, each time you create a new item, you're also creating 10 new records in the Item Pricing Table - 1 for each price list. But some of your items may not be included in all 10 price lists. So you end up with unnecessary records for unpriced items. Now imagine you have 500,000 Item Masters and 20 price lists. You could easily have 100,000 unnecessary records cluttering your database.

    So, how do you clean up your database? You use theRemove Unpriced Items option.

    How to Remove Unpriced Items

    In the main menu, go to Modules > Administration > System Initialization > General Settings > Pricing tab.If you're running an older version of SAP Business One, you may not see the Pricing tab. You can look for theRemove Unpriced Items from Price List in Database option on theInventory tab instead.

    Check the box next toRemove Unpriced Items from Price List in Database.

    ClickUpdate.

    Note that this does not remove the items from your Price List view. It only removes the records from the background Item Pricing Table to improve efficiency of your database.

    Hide Unpriced Items in Pricing Reports

    If you choose not to remove the unpriced items from your database, you still have the option to hide them from your pricing reports.

    Under the main menu, go toModules > Inventory > Inventory Reports > Price Report.

    Check the box next toHide Unpriced Items.

    ClickOK.

  • Let's say you need to post a monthly bonus to your sales team based on a percentage. Rather than manually calculating and entering the dollar amount each month, you want to have SAP Business One automatically calculate the amounts based on your pre-defined percentages for each sales person.

    Manager = 40%

    Salesperson #1 = 20%

    Salesperson #2 = 20%

    Salesperson #3 = 20%

    In just a few minutes you can setup a Journal Entry Posting Template to do this calculation for you.

    Create the Posting Template

    In the main menu, go toModules > Financials > Posting Templates.

    Enter a name in theCode field.

    Enter a description in theTemplate Description field.

    With your cursor in theG/G Acct/BP Code field, hit Ctrl+Tab on your keyboard to bring up a list of Business Partners.

    Select the Business Partner for your sales person.

    Enter the percentage value in theCredit % field.

    Repeat steps 4 to 6 for each individual.

    In the next row, select the applicable G/L account for your offset account.

    Click in theDebit % field. It will automatically set to 100.

    ClickAdd.

    Create Journal Entries Based on the Template

    Now you can use the posting template you created in the section above for your monthly Journal Entries.

    In the main menu, go toModules > Financials > Journal Entry.

    UnderTemplate Type, selectPercentage.

    UnderTemplate, select the template you created above.

    On the last row in the grid for your offset account, type the total dollar amount in theDebit column. TheCredit column will automatically populate based on the percentages defined in the template.

    SAP Business One Server running on Microsoft SQL

    SAP B1 Server Microsoft Windows Server [1]

    It is recommended that SAP B1 server be virtualized, hypervisor is your choice. We have had good success with Windows Hyper-V. One copy of Windows Server does permit 2 VM licenses.

    Microsoft SQL Server [1] with SQL CALs matching the number of SAP B1 users.

    SQL maintenance plan should be in place, including backups and database optimization.

    SQL Server Collation settings for SAP Business One are quite specific, please consult the documentation before installing Microsoft SQL Server.

    Contact ProjectLine Support if you would like assistance installing Microsoft SQL, or setting up your SQL maintenance plan.

    Database VM should exist on a RAID 10 volume with minimum SAS 10k drives (SAS 15k drives are preferred).

    SSD drives may also be used, which match or exceed the performance of 15k SAS.

    2 disk volumes - one for OS and one for SQL data which are appropriately sized for your environment.

    RAM is dependent on database size and user counts but generally 16GB as a recommended minimum.

    Performance should be periodically assessed, and resources allocated as needed.

    SQL memory usage should be monitored and capped if required, as it will often use as much as it is allocated.

    vCPU minimum of 2-4 vCPUs dependent on number of SAP B1 users

    Performance should be periodically assessed, and resources allocated as needed.

    To best provide support and consulting services, ProjectLine may require remote access to your SAP B1 Server for consulting and support services. The means of remote access to your SAP B1 Server VM is your choice. However, windows remote desktop access with enhanced security measures, and no VPN login requirement, is preferred.

    For enhanced security, in the absence of VPN, ProjectLine recommends tailoring access for our team using IP white-listing strategies. ProjectLine consulting and support will connect to your RDP services through 1 centralized IP address which will be shared upon request.

    Terminal Application Server for SAP Business One

    It is recommended that the Terminal Application Server be virtualized on a second, separate VM from your SAP B1 Server. This will depend on your preferred delivery method of the SAP B1 client to end-users.

    As general rule we allocate 1.5 to 2 GB of RAM per SAP B1 user

  • Every business has recurring operating expenses that come up every month. The rent or lease payment on your building, your utilities or even payroll would be good examples. Rather than manually posting the amount each month, you can schedule a monthly Journal Entry to post your rent payment and set a reminder to complete the posting.

    Create the Recurring Posting

    In the main menu, go toModules > Financials > Recurring Postings.

    Enter a name in theCode field.

    Enter a description in theDescription field.

    Optionally, you can enter your contract number in theRef. 1 field.

    In theG/L Acct/BP Code field in the grid, select the applicable bank account.

    In theCredit field on the same row, enter the monthly amount.

    On the next row, put your cursor in theG/L Acct/BP Code field and hit Ctrl+Tab on your keyboard to pull up a list of Business Partners.

    Select the applicable Business Partner.

    On the same row, click in theDebit field. The amount will automatically populate to match theCredit on the row above.

    At the bottom of the screen, use the drop-down options to select the appropriateFrequency.

    Optionally, you can check theValid Until box, then select a date when the recurring posting will expire.

    ClickAdd.

    Complete the Journal Posting

    When you login to SAP Business One, you'll see theConfirmation of Recurring Postings window, with a reminder to complete the postings to be executed that day. From this screen, you have two options.

    Execute the Posting

    To execute the posting, simply highlight the row and clickExecute.

    The followingsystem message will appear. ClickAdd.

    Edit the Posting Before Executing

    Click on the golden arrow next to thePosting No.

    From here, you can modify details of theposting as required.

    ClickOK to save.

    From theConfirmation of Recurring Postings window, execute the posting following the steps above.

  • Here's how you can easily create proactive alerts in SAP Business One using queries that you've created and saved in the system.

    In the main menu, go toModules > Administration > Alerts Management.

    In theAlerts Management window, switch toAdd mode.

    Enter a name for the alert in theName field.

    Click theOpen Saved Query button. Select the query you want to use.

    Use the checkboxes to select the users you want to receive the alert. You have the option to select the type of alert - internal (in SAP Business One), email, etc.

    On the right side of the window, under Frequency, select the desired frequencyand time.

    UnderPriority, use the drop-down to select the priority of the alert.

    ClickAdd.

    You can easily customize your SAP Business One dashboard to include KPI widgets based on custom queries you've created and saved in your system. For more information on creating queries, check out our article on Using the Query Generator.

    Create the Dashboard Widget

    On the toolbar, click on thePervasive Analytics icon.

    In thePervasive Analytics window, select New Dashboard.

    In theDashboard Designer window, click on the Saved Queries icon.

    From the list, select the query you want to use for your KPI widget. In the preview window on the right, you'll see a preview of the query and the results.

    ClickOK.

    On the left side of the screen, click and drag the desired item fromMeasures over toTarget Measures.

    Do the same in the section below, dragging fromDimensions toTarget Dimensions.

    On the right you'll see a preview of the widget. Use theChart Type drop-down to select the type of chart you want to see.

    On the left, click on the target measure item to change the sort method, etc.

    Click the checkbox on the top left of the window.

    Enter a name and clickOK.

    Add Widget to an Existing Dashboard

    From your dashboard, click the pencil icon in the top right corner.

    Click on the + sign.

    In the Widget Gallery, click the grey + button below the desired widget. It will turn into a green checkmark.

    Click the back arrow to exist theWidget Gallery.

    Click the checkmark on the top right. Your KPI widget will now be added to the dashboard.

  • When you execute a query, you're presented with the results in a grid. If you have columns with numeric values (e.g. Quantity, Unit Price, Row Total, etc.), you can easily see the sum total for the column by holding down Ctrl on your keyboard and double-clicking on the column header.

  • If you are a hosted ProjectLine customer, there are a few steps to requesting a user from the support desk. In addition there are two considerations, the hosted user and the SAP license for the user.

    Is the user a net new, or brand new user? Net new users will require both a hosted user and a new SAP license.

    Is the user replacing an existing user? In this case, please provide the name of the user that will be deactivated so that your net hosting user count does not increase. Typically the number of hosted users will match the number of SAP Business One licenses that you have available.

    Once you have determined which scenario is applicable above, please send an Email to the Support desk ( [email protected] )requesting either a net new user and license or a modification to your existing hosted user base (you are able to adjust your own SAP license allocations).

    If you need a copy of the latest license guide to help determine what type of license you need, please indicate this when Emailing the support desk and they can provide you with the most recent version.

    The support desk will either provide you with a Quotation if you have requested a net new user (and upon approval your new credentials) or they will make the necessary adjustments to your existing hosted users and provide you with a new set of credentials for accessing your hosted server.

    Once you have access to your new credentials you will need to perform the necessary administrative steps within SAP Business One for either setting up a new user and adding or assigning a license. Additional information on this process can be found here: SAP User Administration

  • Important:The best place to try this is in your SAP Business One test company database.

    In the case of a header/body style UDF, lets take the example of adding a unique field to the Item Master record. In this case, our company sells electronics items; some of these items require a recycling fee deposit and some do not. Wed like to track which items this fee applies to and which items are exempt.

    Start by opening up the User-defined Fields - Managementwindow.

    Under Master Data, click the Items sub-menu. If we expand the Items list, we see that there are a number of additional third level options for where to put a UDF; however, in this case were simply going to select the Items row by clicking on the line and highlighting it. We know weve chosen the correct line as it will be highlighted in yellow, and the buttons in the bottom right hand corner become active.

    Click the Addbutton.

    In the Field Data window, fill in the following fields:Title: A short name for your UDF Description: Alonger descriptionType: The type of data that goes in the field (alphanumeric, numeric, date/time, units and totals, general) Length: The maximum lengthStructure: Phone number, general, etc. Validation: Optional advanced data validation (e.g. create a list of values that can be used). This field can be left blank so it's just a free form text field. In our example, the recycling fee is either applicable or not applicable to an item, so we can create a drop-down list that only allows the user to pick from these options.Set Default Value for Field: The default value to appear if nothing else is entered Mandatory Field: Whether the field must be filled out

  • Data Entry

    The opening stock count for SAP is imported by the SAP consultants as an inventory Goods Receipt.

    Timing

    Inventory is critical for go-live and the Goods Receipt must be entered before the SAP system can go live.

    Validation

    The SAP Consultant will ensure that the final inventory account balances meet those provided by the client from the legacy system. Any differences due to rounding will be identified and brought to the clients attention.

    Requirements

    The client must provide the ProjectLine consultant with a Microsoft Excel file that contains the SAP item codes, the warehouse code, the quantity, and the cost. Multiplying the quantity by the cost and summarizing those values within the spreadsheet should match the inventory balance from the legacy systems trial balance.

    This process typically takes 4-8 hours. If serial or batch numbers are required this process can be much longer.

    Exceptions if Historical Entries are Required

    If historical entries have been added to the system the inventory account balances should be brought back to zero before entering the stock posting.

    Additional Notes

    If a WMS system is integrated with SAP and bin locations are being used a physical stock count must precede go-live.

  • Purchase Orders

    Purchase orders are optional. If Purchase Orders are not entered, Goods Receipt POs can be keyed in directly when the goods arrive. Purchase Orders can be keyed into the production system at any time since they do not create a financial impact and will not affect the trial balance.

    If Valogix is installed Purchase Orders should be entered so that Valogix recognizes the orders and does not recommend that the re-order any inventory based off of commitments and replenishment levels.

    Sales Quotations and Sales Orders

    Sales Quotes/Orders are optional but highly recommended. Like Purchase Orders these documents do not create a financial impact.

    Depending on how SAP has been customized to suit business requirements these documents may become mandatory.

  • A single opening balance journal voucher will be posted into the opening balance month (and eventually posted as a Journal Entry). This journal voucher will account for all of the general ledger account balances. Any sub-ledger (Accounts Receivable, Accounts Payable, Inventory, etc.) account balances will be posted to opening balance clearing accounts in the voucher and subsequently cleared through detailed sub-ledger postings.

    It is recommended that you add one Opening Balance Clearing account to your ledger for each sub-ledger that is applicable. For instance, if you will be transitioning Accounts Receivable, Accounts Payable and Inventory, you should add three new General Ledger Accounts.

    One account named Opening Balance Clearing - A/R (located in the Assets drawer),

    One account named Opening Balance Clearing - A/P (located in the Liabilities drawer), and

    One account named Opening Balance Clearing - Inventory (located in the Assets drawer)

    The journal entry for the accumulated depreciation accounts will be the values at the beginning of the fiscal year. The depreciation expense accounts should not be entered. These will be updated through a depreciation run.

    Navigate to: Financials > Journal Vouchers

    Click on Add Journal Entry to New Voucher

    Set your Posting Date, Due Date and Doc. Date to be the last day before your Go-Live date, i.e. December 31, 2019.

    Set Your Remarks to be SAP Business One Opening Balance

    Key in each G/L account and the associated debit or credit balance.

    It is recommended that in advance you have prepared a Trial Balance spreadsheet which has mapped your legacy accounts and balances to the new accounts used within SAP Business One to facilitate data entry.

    Replace sub-ledger accounts with the newly created opening balance clearing account.

    If you have both foreign and local currency balances, follow these additional steps.

    Click on the Display in FC tick box at the bottom of the screen to display the Foreign Currency Columns.

    lick on the Form Settings Icon:

    Toggle on: Allow Unbalanced Transaction in FC

    Press Ok.

    Enter your Debits and Credits in Foreign Currency. You may have to adjust your Local currency amounts if it tries to recalculatethem for you but you can ultimately enter the balance you need.

    When you are done entering your voucher, press Add to Voucher. On the Journal Vouchers Screen, press Update.

    With a voucher you can prepare an unbalanced entry and save it if it will take you some time to complete entering everything. You can also run your SAP financial reports and include the results of your voucher without having to post the entry.

    This allows you to check your entry and make adjustments prior to adding it as a final Journal Entry.

    Once you have reconciled your financial reports between SAP and the Legacy system, you can post your Journal Voucher, turning into a Journal Entry.

    Timing

    The opening balance journal entry does not have to be posted prior to go-live. This entry will have to be completed before the next month end can be finalized.

    Validation

    After posting the journal entry(s) the accountant should print a trial balance from SAP and use it to compare balances from the trial balance produced from the legacy system. Any variances should be corrected with journal entries until the balances match for the posted accounts.

    Pre-requisites

    The client is required to have a trial balance produced from their legacy system after they have completed the month end process in the legacy system for the opening balance month.

    It is highly recommended that the trial balance from the legacy system be exported into Microsoft Excel and modified so that the account structure and numbering matches SAP. Effort spent up front will result in time savings when comparing against the SAP trial balance and analyzing variances.

    The journal entry will be manually entered and posted by the accountant or designated personnel. This can take anywhere from half a day to a day or more depending on the number of accounts and the scope of change between the old and new chart of accounts.

    Exceptions if Historical Entries are Required

    For every historical month a journal entry must be posted to account for the delta between monthly balances. For example:

    In September the bank balance (CDN) needs to be $100,000.00 so a journal entry is posted. The journal entry contains all of the account balances for September and the debit to the bank account is $100,000.00.

    In October the bank account balance needs to b $125,000.00 so a journal entry is posted for the delta, in this case a debit of $25,000.00 to the bank account.

    Inventory can be posted to directly as a summary balance for historical entries.

    The final month (opening balance month) then becomes the last set of delta postings. Inventory, A/R, and A/P will have to be reversed as the balances will be re-created using the appropriate sub-ledgers.

  • If depreciation is expensed at the end of the fiscal year, no additional transactions are required, as the prior system will have no year to date depreciation expense.

    When depreciation is expensed monthly in the prior system, complete a depreciation run with a posting date up to the day before go-live. This will credit accumulated depreciation and debit the depreciation expense account for the full year to date depreciation. Depending on the depreciation calculations between the prior system and SAP, the expense may differ slightly. It is recommended to make a manual journal entry to account for the differences posted for the day before go-live to account for the variance. Make this a reversing journal entry with a reversal date of go-live.

  • It is necessary to enter open A/R invoices to compile the accounts receivable opening balance. These invoices are entered as service invoices so that they do not affect inventory. Inventory has already been accounted for by this point. These invoices are tax exempt as the entry to the tax accounts are made as lump sum entries during the opening balance journal entry for the non-control accounts. The offsetting account for this invoice is the Opening Balance - Accounts Receivable G/L account.

    If there are foreign currency A/R invoices to be entered then an average exchange rate has to be calculated to ensure that the local currency and the foreign currency balances match the trial balance from the legacy system. For example if the A/R Foreign G/L account needs to have a foreign currency (i.e. USD) balance of $ 435,119.56 and a local currency (i.e. CDN) balance of $528,366.21 then the exchange rate becomes:

    LC Balance / FC Balance = 528,366.21/435,119.56 = 1.214

    This rate should be entered for a day within the opening balance month and all foreign A/R invoices need to be posted on this day.

    The due dates for the opening A/R Invoices should be accurate to aid with aging and customer statements. In addition a reference to the legacy system invoice number should be entered on the A/R Invoice for reference purposes and reconciliation to the previous system.

    Timing

    These entries although not critical to have done before go-live will need to be completed prior to the first month end when customer statements have to be generated. If the opening A/R Invoices have not been entered and a payment is received, the invoice must quickly be keyed in before the payment can be processed

    Validation

    Once the opening A/R Invoices have been keyed into SAP the accountant can quickly confirm the balance in the A/R account(s) under the general ledger. If the balances do not match the original trial balance from the legacy system then an Aging report (or trial balance by business partner) will have to be printed from SAP. This document can then be used to validate each individual customer balance to determine where the variance occurs. Most often a document is missed or added more than once.

    Requirements

    If the client is entering the A/R invoices manually it is anticipated to take approximately 1.5-2 minutes per invoice. This means that an individual can enter 3040 invoices per hour. If you have approximately 600 invoices you can expect it would take someone 20 hours or almost three working days to key in the open A/R Invoices.

    If ProjectLine is importing the invoices the client must provide a Microsoft Excel file containing the required information. An import template will be provided to the client by a ProjectLine implementation consultant. The time it takes to do an import can largely depend on the state of the data but generally it takes between 8-12 hours.

    Exceptions if Historical Entries are Required

    If the client requires that historical months be accounted for in SAP then the process for the entry of accounts receivable changes slightly. Detailed invoices for each client are not entered into the system. Instead a lump sum A/R Invoice is added to a dummy business partner (accounts receivable is a control account which cannot be posted to directly).

    Every month the delta between the balance of the previous month and the current month must be posted as a lump sum invoice against the dummy business partner. For example:

    In September the accounts receivable balance (CDN) needs to be $100,000.00 so a single A/R Invoice is posted against a business partner called zzSAPOBCUSTCDN. The invoice is entered in the same fashion as detailed above with the exception that there is no legacy reference as it is a lump sum entry. The A/R Invoice is for $100,000.00.

    In October the accounts receivable balance needs to b $125,000.00 so an A/R Invoice is posted against the zzSAPOBCUSTCDN business partner for $25,000.00. This brings the total accounts receivable balance up to $125,000.00 for October.

    Once the historical entries are finished and the detailed opening balance A/R Invoices are ready to be entered into the opening balance month then the dummy business partner account must be reversed entirely using a credit memo. If this is not done the accounts receivable will end up being twice what it should be.

    Additional Notes

    A/R credit memos can be entered in exactly the same way as the A/R Invoices as indicated above.

  • Transitioning your legacy trial balance to SAP Business One consists of a number of steps. These are outlined below with links to additional knowledge base articles depending on which accounts are applicable to your organization.

    First, determine the posting date you will use for all of your Opening Balances. If you are planning to Go-Live on January 1, 2020, then your Opening Balances will be posted into December, 2019, most likely on December 31, 2019.

    A single journal voucher (similar to a draft Journal Entry) will be added to account for all general ledger accounts with the exception of any "sub-ledger" accounts which may include: Inventory, Accounts Receivable, Accounts Payable, Fixed Assets and Job Work In Progress. Opening Balances - Trial Balance

    The Inventory balance is accounted for by performing an inventory Goods Receipt into SAP (inventory sub ledger). Opening Balances - Inventory

    The Accounts Receivable balance is accounted for by entering detailed service A/R Invoices (customer sub-ledger). Opening Balances - Accounts Receivable

    The Accounts Payable balance is accounted for by entering detailed service A/P Invoices (vendor sub ledger). Opening Balances - Accounts Payable

    The Fixed Assets accumulated depreciation accounts are entered with the balances as of the opening of the current fiscal year.   • If you find the font size in SAP Business One too small, here are two solutions to the problem.

    Option 1: Adjust the Font Size in SAP Business One

    The first option is to simply increase the font size in SAP Business One. The only drawback to this approach is that the bigger you make the font, the more it changes the layout of your windows. Although this helps a lot, it doesn't increase the font size on the main title bar across the top or the subsequent menus beneath those headings. This is a Windows thing (see Option 1).

    Important:To do this, youll need authorization to change the font settings.If you don't already have access, ask your system administrator for permission.

    Under the main menu, go toAdministration > System Initialization > General Settings.

    In theGeneral Settings window, click on theFont & Bkgd tab. On theFont Sizefield, use the drop-down list to adjust the size.Tip: Start with making a small adjustment, then test it to see if you need to increase further.

    Option 2: Adjusting the Font Size in Windows

    The second option is to change the size of fonts in Windows. The process below may vary slightly depending on which version of Windows youre using, but youre looking for the folder in the Control Panel that lets you reset the size of icons and text. In the recent version of Windows 10, youre able to scale the fonts based on regular size and upwards by a percentage over normal.

    Important:This change will affect all fonts on your system, so its important not to overdo it. If you choose a real high number, your fonts will quickly start to take over your computer.

This tool gives you instant notifications of anything important that's happening in your business and needs your attention. For example, here at ProjectLine, we use a custom alert to notify our Marketing team when contacts in SAP Business One have incomplete contact information. This helps us catch any inconsistencies in data entry and maintain quality information on our business partners.

    So you can see, with very few steps, you have a very useful alert to indicate that something important is happening and requires your attention. Then you can be proactive and make the appropriate business decision before it becomes a problem. Quick to set up, simple to use, yet very effective.

  • The Journal Entry Import Tool is a useful utility in SAP Business One for use cases like:

    Importing a summary Journal Entry / Journal Voucher from a third-party payroll system

    Importing a summary transaction from a third-party app that creates it's own sales or purchasing transactions

    Things to not which sometimes cause errors in the import process:

    The formatting of data in cells will sometimes need to be in specific formats. For instance, date fields must be in YYYYMMDD format without the use of any other characters. November 20th, 2019 should be entered as 20191120 .

    The file required for upload by the import tool is a Tab Delimited Text File. Prepare your Journal Entry in the excel template, then save it as a Tab Delimited Text File. Choose this file for upload.

    Make sure you don't have the import file (Tab Delimited Text File) open in another program like notepad, etc. This will typically cause SAP to crash as the file is locked by that other program.

  • To copy PLD or Crystal Report from one company to another:

    Step 1: Export Data from Source Company

    Log into the company that you would like to export the data from.

    Go toModules >Administration > System Initialization >Implementation Center > Implementation Tasks > Data managementtab. ClickCopy Data Between Companies.

    In the Quick Copy window, define Copy to Filepath and error handling. Click OK to proceed to the next window.

    Click on Customization - Print layouts and Reports, then select the the custom reports or layouts you would like to export on the right hand side. Click Export.

    You may receive receive a data dependencies warning. Export the data if information is not contained in the other company already.

    The result is displayed when export is complete.

    Step 2: Import Data to Destination Company

    Important: To import the PLD and Crystal Reports, please make sure there are no other users connected and no other connections to the company, otherwise, you will receive the following error:

    Cannot perform the action due to existing company connections. Open the 'Connected Clients' form under 'Utilities' menu to view all existing connections for the current company. Close them before performing this action again.

    Login to the company you want to import the data to.

    Go to Modules >Administration > System Initialization >Implementation Center > Implementation Tasks > Data managementtab. ClickCopy Data Between Companies.

    In the Quick Copy window, select Copy From. Define copy method, error handling and copy option.Note: You have an option - force backup before starting copy process. This would be a good idea in case you would like to revert back the import.

  • It's common to sell, purchase, produce and inventory items using different units of measure(UoM). For example, you might purchase an item by the pallet, sell it by the case, and inventory it by individual units. Or perhaps you purchase some items using the Imperial system, but sell and inventory using the Metric system. There are countless variants when it comes to managing multiple units of measure, and these complexities multiply exponentially when you consider all the various pricing and discounts to associate with each unit of measure.

    So how can youeasily manage this?

    SAP Business One introduced advanced Unit of Measure Groups in version 9.0 that makes it much easier to purchase, sell and inventory items with different units of measure. Where it used to require manual effort to manage, now you can just create a single item master record and associate the various units of measure, barcodes, prices and other parameters. Ultimately, this reduces the number of item master records you have to manage and reduces your database size.

  • You may have heard your SAP Business One consultant say the words formatted search, and it probably went through one ear and out the other because it sounds kind of technical or perhaps too complex to setup. The truth is, formatted searchesaren'tcomplicated at all, so if you can understand the concept of formatted searches, and when and how they can be used, you can really take your SAP Business One system to another level!

    What is a Formatted Search?

    In very simple terms, it means you can insert specific information into a field. In geek-speak a formatted search function enables you to enter values, originated by a pre-defined search process, into any field in the system (including user-defined fields).

    You can use the formatted search function to:

    Automatically enter values into fields from various objects in the system.

    Enter values into fields using a pre-defined list.

    Automatically enter values into fields with pre-defined queries (user queries).

    Create dependencies between fields in the system (e.g. the value in field X influences the value in field Y).

    Display internal fields thataren'texposed on windows. These are fields thataren'tdisplayed anywhere in the system, but they can be queried. For example, some of these fields are:User Signature, Creation Date, Open Checks Balance(for Business Partners), etc.

    Why Use a Formatted Search?

    Formatted searches are extremely for a few reasons:

    They save you time from having to search for information located on other screens

    Theyre especially handy if you want to automatically display information based on conditions and calculations (e.g. you could automatically calculate the annual maintenance for a specific item within a UDF on a document row)

    They reduce effort and possibility of human error.

    Practical Example

    Lets say you want to automatically display the itemsForeign Nameonto the row of your Sales Order. TheForeign Namefield exists in the Item Master Data screen, but its not a field thats inherently available to display on document rows. You can use a formatted search to bring in this data from the Item Master Dataonto the Sales Order row.

    For example, you sell Christmas trees and every time you enter the Christmas tree item code on the row of a Sales Order, you also want the French description l'arbre de Nol to appear on the row.

    Here is how to accomplish this using a formatted search:

    Create a User-defined Field (UDF) on the row calledForeign Name.

    Save the following query in the Query Manager. This will be called in your formatted search:SELECT T0.[FrgnName]FROM OITM T0WHERE $[$38.1.0] = T0.[ItemCode](This query basically grabs theForeign Namefrom the Item Master Data window of the respective item code that you entered on your sales order)

    Place your cursor into theForeign NameUDF you created on the Sales Order row and pressAlt+Shift+F2on your keyboard.

    TheUser-defined Values Setupwindow will appear. Click onSearch in Existing User-defined Values according to Saved Queryradio button and select theForeign Name queryyou just saved.

    Click on theAuto Refreshbox and selectItem No.from the drop-down list. Then click on theDisplay Saved User-defined Valuesradio button. (Basically this entire step enables the system to automatically show theForeign Nameof the respective Item Code every time you select an item on a new row or even change the item on an existing row).

    Now test it out. Create a Sales Order and enter an item on the row; theForeign Nameof the item will automatically appear within the UDF.

  • Here are some helpful tips for working with DTW:

    Every version of SAP is released with a DTW version. It is recommended to always import into SAP from the same version level in DTW.

    Login using an SAP Super-user account with a Professional license.

    Perform importing of new data and updating of existing data separately. Performing both simultaneously typically has a pretty big performance hit.

    Tab delimited text files and ODBC connections work well for data work. A lot of client legacy data will contain either commas or semi-colons which will affect your import file adversely.

  • When adding a new user to SAP there are three aspects to consider:

    Creating the user and applying form settings

    Licensing

    Authorizations

    Create New User & Apply Form Settings

    Access the user setup module via Administration > Setup > General > Users: [email protected]

    Fill out the required information to add a new user. At a minimum, set the User Code, Name and Password.Checking the Superuser checkbox will set this user's authorizations to full and give them access to all areas of the system provided they are licensed for it.

    Tip: Form settings can be copied between users by clicking on the Copy Form Settings button.

    Licensing

    The license sets the scope of what that user can access. Contact us at [email protected] to get a copy of the latest license comparison guide.

    Once the user is created, open the License Administration window under Administration > License > License Administration:

    Click on the newly created user under the Users column on the left side of theAllocation tab.

    Check the applicable boxes on the right, under B1 User Type Licenses, to assign the necessary licenses. Check the box for the SAP AddOns licenses as well.

    Authorizations

    Now that the licenses have been assigned, the authorizations can be configured for this user.

    Access authorizations via Administration > System Initialization > Authorizations > General Authorizations.

    Click on the user and toggle the authorizations and discounts as desired.

    Tip:Authorizations can be copied between users by using the Copy Authorizations button shown above.

  • Mobile capabilities can offer huge advantages for your company. And did you know that the SAP Business One Mobile App is bundled with your SAP Business One core licensing? This means that any Business One Professional or Limited user is entitled to use the app which has been developed for iOS and Android based devices. In order to switch on this application there are a few technical considerations. First, you will need a security certificate that helps to establish a secure connection between your SAP Business One system and the mobile app. This secure connection is necessary as data is being shared in real-time from the SAP Business One database (there is no data synchronization, its live!).     So what do you get with the mobile app? Essentially you get a mini version of your SAP Business One system.
