  • For administrators with a Remind plan.

Rostering is the fastest, most effective way to roll out Remind across your organization. By automatically creating accounts and classes with data from your student information system (SIS), you can expand reach and drive adoption across your entire community.

This guide includes everything you need to set up rostering at your organization.

Step 1: Choose a rostering option

Step 2: Transfer data from your SIS

Step 3: Notify teachers, students, and parents

Step 4: Manage your SIS sync

To make the onboarding experience as smooth as possible, we recommend informing your community about the Remind rolloutbefore you begin rostering your organization. Email templatesfor notifications are available here.

Step 1: Choose a rostering method

There are two options for rostering with a SIS sync, or transferring data from your SIS to Remind:

Direct sync Transfer data from your SIS directly to Remind via SFTP. This method can accommodate CSV files formatted to Remind or OneRoster 1.1 requirements. This option is compatible with any SIS or rostering service (e.g. ClassLink) that can export CSV files and is recommended for all schools and districts with SFTP capabilities.

Clever sync Transfer data from your SIS to Remind via Clever. This option is recommended only for schools and districts already using Clever.

Note: You can also create Remind accounts and classes without a SIS sync (click here for instructions). This option is recommended for smaller schools and districts as well as non-traditional organizations.

Step 2: Transfer data from your SIS

Once you’ve chosen a rostering option for your school or district, you can begin transferring data from your SIS.

Note: Your SIS data should be updated and reviewed (removing or filtering out former students/teachers and parent/emergency contacts that should not be in Remind) prior to transferring to Remind. Additionally, we recommend reviewing existing Remind data with some actions items listed in this article that can help maintain accuracy within manually entered data that is not affected by rostering.

Review Rostering FAQ and detailed instructions for each option below.

    Setting up a direct sync

    Setting up a Clever sync

Once selected, your organization's rostering method can't be changed.

Step 3: Notify teachers, students, and parents

After you finish transferring data from your SIS, you’ll need to notify teachers, students, and parents about their new accounts, as no automatic notifications are sent during account creation. Learn more about the first notification here.

Teachers will receive an email with directions to log in and claim their classes. Their accounts and classes will only become active once this step is completed.

Students and parents will receive a message through their primary contact point with directions to log in to their account.

Step 4: Manage your SIS sync

After you transfer your data from your SIS to Remind, you can check the status of your sync through your SIS sync report. In your dashboard, select SIS sync to drill down into sync details. District administrators can click on individual schools to access school-specific information.

You can also enable rostering enforcement from the district SIS sync report.Rostering enforcement allows you to remove the option for rostered students, parents, and teachers to leave your organization on Remind.

  • For administrators with a Remind plan.

Direct sync via SFTPis a simple, powerful option for rostering your school or district.By automatically creating accounts and classes with data from your SIS (student information system), you can expand reach and drive adoption across your entire community.

This overview covers the following topics:

    Setting up a direct sync

    Troubleshooting a direct sync

    Before you begin:

You are a district administrator. Here are directions on how to add administrators if you want to create an account for the right person. If you don't have access to your district's dashboard, contact support.

Your organization has the ability to set up an SFTP transfer from your SIS or other data source to Remind.

Decide if you want rostering enforcement enabled for your district.Rostering enforcement allows you to remove the option for rostered students, parents, and teachers to leave your organization on Remind.

    Setting up a direct sync

    sync errors & alerts.

    Step 1: Export CSVs

The first step to setting up your direct sync is determining which CSVs need to be exported from your SIS. Your CSVs should includeonly the data required to create the accounts and classes you need.

Data can be exported directly from your SIS or through a SQL query. If you’re unable to produce the required CSVs, please contact your SIS directly; Remind is unable to troubleshoot data exporting from your SIS and SQL for direct syncs at this time.

    Step 2: Format CSVs

Direct sync can contain up to six CSV files.Be sure to include all required fields in your CSVs. Your files should always include a full snapshot of active school data; Remind will handle necessary additions, deletions, and updates for recurring syncs that sync to Remind at least once every 90 days.

Please review the following guidelines before exporting your CSV files:

Header rows are required and must match the formatting requirements exactly.

An account will be created for every parent/guardian contact included in your files. We strongly recommend excluding any emergency contacts as well as any individuals prohibited from contacting students.

Every user must have a different point of contact. Students and parents cannot share contact information.

Remind classes will be created for every section included in your files. We strongly recommend excluding any sections that shouldnot be created in Remind.

As a CSV file, fields like IDs and names should not incorporate commas ",".

How to format CSVs for direct sync:

    Remind CSV format

    OneRoster CSV format

Step 3: Transfer CSVs to Remind

Once your CSV files are prepared, it's time to transfer your data to Remind via SFTP. You can set up an automatically recurring sync, or transfer your data manually whenever you need to update roster information in Remind. All required CSV files must be transferred at the same time.

For static syncs, we recommend using an FTP client like Cyberduck to transfer CSV files to Remind at least once every 90 days. See this walkthrough on How to direct sync with Cyberduck here.

First, you will need to receive your SFTP credentials. Go toyour district administrator SIS sync report and select sync directly with Remind.

Next, click on Set up direct syncin the top right corner:

You can choose whether to transfer data directly from your SIS or rostering service (e.g. ClassLink), or by uploading files using an FTP client. You’ll need the information from your sync details in your administrator Remind account to complete the direct sync upload.

    Upload URL*

    Port #

    Username and password credentials

*Upload URL can be found in your FTP client under different terminology (i.e. Host)

    SFTP sync details

    1. Refer to the help center article for information on how to set up your SFTP sync. Include students and parents, teachers, classes, and enrollments.

    2. Enter these SFTP credentials:

    3. After you set up SFTP sync and upload CSVs, check the SIS sync report for instructions to finish rostering your schools.

Remind can receive your transferred files at any time. If you would like to set up a recurring SFTP sync, we recommend scheduling your data transfer between 7pm and 10pm PST.

Data can be uploaded to Remind a maximum of once per day. Files cannot be sent in a zip folder.

    Step 4: Match your schools

After your transfer your data to Remind, you’ll receive a confirmation email with details of your sync and next steps. The initial upload can take several hours to process.Follow the instructions provided to match your schools in Remind to your schools from your CSV files. If you’d prefer not to roster a school with direct sync, deselect the school.

Make sure that Remind schools match the corresponding SFTP schools. Review the list and correct any discrepancies. Initial syncs can take anywhere from 20 minutes to 24 hours. For subsequent syncs, processing time should not exceed 8 hours.

Classes will remain in a pending state until the teacher logs into Remind and claims their account. As classes become live in Remind, administrators will be able see those classes from the 'Classes' tab in their admin dashboard. Please note that teachers who are already active Remind users will gain access to their rostered classes immediately.

Once the initial sync is complete, you’ll receive a confirmation email with details of your sync and next steps. Please note the first direct sync can take several hours to process.

Step 5: Send teacher, student and parent notifications

After the direct sync is complete, you’ll need to notify teachers, students, and parents about their new accounts. Any district or school administrator can manually trigger notifications from each school’s SIS sync report. You can learn more about the first teacher, student and parent notifications here.

Step 6:Update your CSV files at least once every 90 days

In order to automate the removal of users and classes in Remind (based on changes that happen in your SIS), you must upload your CSV files at least once every 90 days.

When new classes or accounts are added or removed from your SIS, these updates will be automatically reflected in Remind. User actions in Remind (like changing the name of a class) will not be affected by these syncs.

Once a Remind account has been created, email addresses and phone numbers can no longer be updated. Instead, users can update their contact information directly in Remind.

    Troubleshooting a direct sync

To ensure accurate data is transferred via SFTP, Remind has several safeguards in place. Reference the articles below for information on addressing CSV file format errors, sync holds and errors/alerts.

CSV file format errors: If your files have format issues, your sync will not proceed. You will be notified via email if your files have any format errors.Learn more about CSV file format errors.

Sync holds: A school's sync will be placed on hold if Remind suspects a data configuration issue in your files. You will be notified via email when a sync is placed on hold.Learn more about sync holds.

Sync errors and alerts: Errors are issues in your SIS that prevent teacher or student accounts from being created. It's critical that you address these as soon as possible. • For administrators withadvanced messaging, apremium featureavailable withthe Remind plan ! To learn more, please contact your Remind account manager or Remind support.

Automate messages to students and parents by transferring data from your school information system (SIS) using a secure transfer file protocol (SFTP). Our schools and districts can send recurring auto messages to up to 5,000 students and unlimited linked parents per send.

Auto messaging can be used to send daily attendance notifications, weekly lunch money balance updates, monthly student of the month congratulations, regular grade and progress updates, etc.

    Before you begin:

You must be a district or school administrator.

Your organization has the ability to set up a recurring SFTP transfer from your SIS or other data source to Remind.

Your organization has created student accounts with a SIS sync. To set up a direct or Clever SIS sync, check out this Guide to Rostering with Remind.

Note: If you'd like to reach parents, students must be rostered with parent connections on Remind.

Step 1: Create a new auto message

As an administrator, you can set up auto messages at the district level or at the school level. First, navigate to Organization Settings Auto Messagingin your administrator dashboard, and click New auto messageon the top right corner.

You'll be prompted to name your auto message. This name is for organizational purposes and will only be visible to you and other verified administrators.

add custom data fields to your auto messages

Step 2: Format CSV file export

In your SIS or other data source, set up a recurring CSV export of student numbers.

Example: You could set up a daily export of all absent students or a weekly export of student's with low lunch money balances.

Your CSV file must contain a column with the header student_number.

Let Remind know what unique CSV filename to expect. Every time you transfer a CSV file will this specific filename to Remind, this particular auto message will get sent.

Step 3: Set up file transfer

Set up an automatically recurring SFTP file transfer to transfer your CSV file to Remind. You can choose whether to transfer data directly from your SIS, or by uploading files using an FTP client.

If your SIS does not support SFTP, we recommend using an FTP client like Cyberduck. See this walkthrough on How to set up auto messaging with Cyberduck here.

Enter your SFTP credentials into your SIS or FTP client. If this is the first auto message you're setting up, you'll need to generate a set of SFTP credentials. For subsequent auto messages, you can choose whether to reuse these credentials or generate additional credentials.

    SFTP Credentials

Upload URL (this can be found in your FTP client under different terminology (i.e. Host))

    Port #

    Username and password credentials

Schedule recurring CSV transfers. Choose the time you want auto messages to be received by students and guardians. Messages will be sent as soon as Remind receives your CSV file. As a safeguard for students and parents, CSV files received between 12am and 7am EST will not be sent.

    Keep in mind

SFTP credentials used for auto messaging are different from the ones used for rostering.

Files cannot be sent in a Zip folder

For greater security, SFTP credentials passwords are only shown once. Record the password in a secure place.

Step 4: Compose an auto message

Choose a sender:If the message is set up at the district level, it'll come from the district itself. Replies will be disabled.

If the message is set up at the school level, you can select any verified administrator as the sender of the message. Replies will go to that administrator as long if they have replies enabled for their Remind account.

You can add additional administrators to your organization by going to the Settings tab in your administrator dashboard.

Select recipients:Auto messages can be sent to students, their parents and guardians, or both.Students on Remind will be matched to the student numbers in the CSVs.

Parents and guardians must be already connected to these students on Remind. If you select 'Parents and Guardians', every parent and guardian associated with the matched students will be included as a recipient of your announcement.

If students are missing student numbers or parents and guardian connections, the district administrator can add them through rostering.

Compose your message:Recipients will receive this auto message as text messages, push notifications, or emails, depending on their Remind notification preferences.

You can also (e.g., student name, number of absences, current lunch money balance).

Step 5: Review and activate your auto message

Review your auto message, and click Activate. Once your auto message is active, an auto message will be sent every time a CSV file with a matching filename is transferred to Remind.

  • For administrators with a Remind plan that have rostered via a SIS sync

Between terms there may be a number of Student Information System (SIS) changes that occur at your district and/or school that you would like reflected in Remind. Review this list of steps that should be taken before the new term begins to ensure a smooth transition.

    1. Review and update shared SIS data based on your SIS sync method:

Clever Sync - check your Clever account to ensure that your new term data is being shared with Remind and that any holds in Clever are released.

For more information on how Clever handles term rollover, please refer to Clever’s help center here.

For more information on how Clever handles school year rollover, please refer to Clever's help center here.

Direct Sync - ensure your new term data is reflected in your CSV files and then transferred to Remind via SFTP.

We recommend pausing your SFTP file transfer to Remind during periods when SIS data is rolling over to a new semester or new school year.

Note that in order to automate the removal of users and classes in Remind (based on changes that happen in your SIS), you must upload all of your CSV files at least once every 90 days.

    2. Release any SIS sync holds in Remind.

If a large number of destructive changes (teacher, student, parent or class removals) or other data configuration issues are detected, we will place your sync on hold as a safeguard. We share the details of the issue(s) detected in a downloadable CSV file accessible through your SIS sync tab. You will be prompted to approve the changes to move forward. Read more about how to manage SIS sync holds here.

    3. Remind teachers to archive non-rostered classes.

When your new term data is successfully synced to Remind, teachers will receive an email about their class changes. All classes removed from the SIS will be suggested for archiving for each teacher in Remind. Teachers should archive any classes they manually created and will no longer be using in the new term. You can prepare them to do so by sharing this article.

New teachers added to your SIS over the term break will receive an automatic notification when your SIS sync resumes.

    4. Review the school class and people lists.

There may be classes associated with the school that were manually created outside of your SIS sync. If these classes should no longer be associated with the school, you can remove them.

There may also be people subscribed at the school level who joined outside of your SIS sync. If these individuals have left the school or are no longer active, you can remove them individually or send a school-wide message with instructions on how to unsubscribe by texting @leave @schoolcode. You can also share this article.

  • For administrators with a Remind plan.

Who is already in my Remind School or District?

Before upgrading to the Remind Plan, members of your community were already using Remind to communicate. These members created their own Remind accounts and joined your school to communicate at some point in the past, and they can continue using Remind now that you’ve upgraded to the Remind plan. These members still exist in your organization now that you are on the Remind Plan. During this transitional time, it is important to inform these existing users about the changes to come.

Informing your community how to prepare for the Remind plan

Now that you have the Remind Plan, you can manage the members in your school or district via rostering. Rostering is the fastest, most effective way to roll out Remind across your organization. By automatically creating accounts and classes with data from your Student Information System (SIS), you can expand reach and drive adoption across your entire community.

We recommend following these steps to ensure an accurate and up to date People List.

    1. Send out a school wide message

Send a school wide message before your initial sync letting out-dated users know how they can leave the school

[School Name] is excited to be using Remind for school wide communication for the 2019-2020 academic year! We will be creating official accounts for any current student and family members using available contact information we have on file.

If you or your child are no longer at our school, you can unsubscribe by texting back “@leave@[Replacewith your unique school code]” to any text messages you may receive. If you are using the Remind app, you can go to your account settings and click “Leave” next to your school name. You can learn more about this process here: https://bit.ly/2hIkW1A. Thank you!

    2. Empower your teachers

Send a message to all teachers asking them to archive classes they will not be using this year, leave any schools they are no longer are teaching at, and remove users that should not be in active classes.

Note: Archived classes will no longer appear in the teacher or school Class Lists and will no longer be searchable by the Remind community. Students will receive a notification when the class is archived. With rostering, classes will be created and populated for teachers, and suggested for archiving at the end of each term. Teachers can still use Remind to create additional classes outside of their rostered classes.

    Teachers,

At [school name], we want to make sure we uphold safe and positive school and classroom communication on Remind. By [date], please take some time to review your currently owned classes on Remind, archive classes you are no longer using, and remove individual users who should not be in your classes.

Remind teachers to link any owned classes to your school to take full advantage of Remind plan features.

    3. Review your People List

Filter by role to view students, parents, and teachers separately. Note that the People List is only accessible at the School Level in the Remind Admin Dashboard. Be mindful of non-rostered members who may still benefit from Remind communication (grandparents, babysitters, coaches, etc.) before removing them from the school.

    By Teachers:

Filter by “last announcement sent” to view those who have not been active

Check to see if there are any teachers who own 0 classes

    By Students:

Locate users who are in 0 classes, and drill into the user profile to verify contact information

View class history to verify recent engagement

    By Parents:

Locate users who are in 0 classes, and drill into the user profile to verify contact information

View class history to verify recent engagement

    By No Role:

    Verify contact information

Assign appropriate role (teacher, parent, student) when needed

    4. Review your Class List

Remove any outdated or irrelevant classes. You can only remove non SIS-linked classes. Removing a class will disconnect the class from the school and remove any users not connected to your SIS or not in any other class connected to the school.

    Sort by “Date Created”

Remove any classes in which the owner and/or participants are no longer affiliated with your school.

Take note of any classes that have not had any recent activity and decide if you want them removed from your school.

Review remaining classes you don't recognize.

    Best Practices:

When removing questionable users, send a message letting them know how to correctly join the appropriate school or class:

Based on the contact information on this account, we are not able to verify if you belong at [school/district name], thus we will be removing this account from [school/district]. If you believe this is an error, please contact [the main office or your student’s teacher] to receive directions on how to rejoin.

For non-traditional roles, such as coaches or community members, use the “no role” label to prevent them from receiving role-based messages to parents, students, or teachers.

  • For administrators with a Remind plan that have rostered via a SIS sync

When you roster your organization on Remind, Remind automatically creates accounts and classes with data from your student information system (SIS). When classes are created, teachers will receive an email with directions to log in and claim their classes. Classes will only become active once this step is completed.

If you need to identify which rostered classes have not been claimed by staff members in your organization, you can do so through your school’s class list.

Log in to Remind on web, go to your school’s class list, and click on the dropdown button next to the search bar. Here, you can choose to either see all Active or Unclaimed classes in your school. You can also search for an individual class to see if it has been claimed by the class owner. Unclaimed classes that have been archived will not appear in either view.

To notify class owners about their unclaimed classes, choose Unclaimed in the dropdown menu. Then, click Notify class owners in the side panel. Email notifications (see below) will subsequently be sent to all class owners with rostered classes that have not yet been claimed. Teachers can only claim rostered classes by logging in to Remind on web.

Rostering is the fastest, most effective way to roll out Remind across your organization. By automatically creating accounts and classes with data from your SIS (Student Information System), you can expand reach and drive adoption across your entire community.

You may choose to transfer data from your SIS via Clever, especially if your school or district already uses Clever. Be sure to review our Clever FAQs for additional information about Remind's Clever sync.

This overview covers the following topics:

    Setting up a Clever sync

    Troubleshooting a Clever sync

    Nightly Clever syncs

    Single sign-on (SSO) with Clever

    Before you begin:

You are a district administrator. Here are directions on how to add administrators if you want to create an account for the right person. If you don't have access to your district's dashboard, contact support.

You have access to your district's Clever account.

Decide if you want rostering enforcement enabled for your district.Rostering enforcement allows you to remove the option for rostered students, parents, and teachers to leave your organization on Remind.

    Setting up a Clever sync

    rostering FAQs

Step 1: Add Remind in Clever

Add the Remind app to your district administrator account in Clever. If you don’t already use Clever, you can sign up for a free account here.

Step 2: Share data with Remind

Set sharing permissions for Remind to let Clever know what data you’d like to transfer. We recommend sharing by districtif your full district purchased or sharing by school and includingthe following required data points:

    student full name

    guardian full name

    teacher full name

    class name

    student ID

    guardian mobile number or email

    teacher email

    class teacher

    student DOB

    class list of students

    student grade

Please keep the following in mind when sharing data via Clever:

An account will be created for every parent/guardian contact shared with Remind. Before initiating a data share via Clever, we strongly recommend filtering out emergency contacts as well as any individuals prohibited from contacting students.

Remind classes will be created for every section shared with Remind, so set up sharing rules to omit unnecessary or inactive classes. You can also use Clever Custom Sections to create Remind classes for athletic teams, after-school clubs, and other groups.

You can see the data you share with Remind in the Clever data browser. If necessary, contact Clever to adjust your sync settings.

Step 3: Match your schools & select accounts to create

In your district administrator view of the SIS sync report, select sync through Clever.

Log in to your Clever administrator account to match your schools in Remind to your schools in Clever. If you’d prefer not to roster a school with Clever, deselect the school.

Make sure that Remind schools match the corresponding Clever schools. Review the list and correct any discrepancies.

Next, select the accounts you want to create. We recommend creating accounts for all roles and all classes shared from Clever; otherwise, select your desired setup. Keep in mind that students, as well as their parents, will be added to classes in Remind.

Remind will immediately begin processing the Clever sync, creating accounts and classes for the roles selected. Initial syncs can take anywhere from 20 minutes to 24 hours. For subsequent syncs, processing time should not exceed 8 hours.

Classes will remain in a pending state until the teacher logs into Remind and claims their account. As classes become live in Remind, administrators will be able see those classes from the 'Classes' tab in their administrator dashboard. Please note that teachers who are already active Remind users will gain access to their rostered classes immediately.

Once the initial sync is complete, you’ll receive a confirmation email with details of your sync and next steps. Please note the first Clever sync can take several hours to process. If you’d like to change your Clever sync configuration settings in the future, contact the Remind support team.

Step 4: Send teacher, student and parent notifications

After the Clever sync is complete, you’ll need to notify teachers, students, and parents about their new accounts. Any district or school administrator can manually trigger notifications from each school’s SIS sync report. You can learn more about the first teacher, student and parent notifications here.

Step 5: Add student mobile numbers to rostered accounts (optional)

Since Clever doesn’t store student phone numbers, student accounts created via Clever sync will only include email addresses. Students can add their mobile number to Remind by following these instructions.

    Troubleshooting a Clever sync

To ensure accurate data is transferred from Clever, Remind has several safeguards in place. Reference the articles below for information on addressing sync holds and errors/alerts.

Sync holds: A school's sync will be placed on hold if Remind suspects a data configuration issue with your Clever sync. You will be notified via email when a sync is placed on hold.Learn more about sync holds.

Errors and alerts: Errors are issues in your SIS that prevent teacher or student accounts from being created. It's critical that you address these as soon as possible. Alerts are minor data errors in your SIS that, if fixed, would make Remind more useful and productive to use for your school community.Learn more about sync errors & alerts.

    Nightly Clever syncs

Remind syncs with Clever every night between the hours of 11pm and 5am PT. When new classes or accounts are added or removed from your SIS, these updates will be automatically reflected in Remind. User actions in Remind (like changing the name of a class) will not be affected by these syncs.

You should send rostering notifications toteachers, students, and parents who are added to Remind from Clever about their new Remind account.

Once a Remind account has been created, users can update their contact information directly in Remind.

    Single sign-on with Clever

Single sign-on (SSO) with Clever allows teachers and students to log in to Remind directly from Clever using their Clever credentials. Remind does not support Clever SSO for administrators at this time.

  • Available to administrators with a Remind plan. You can learn more about this here.

How are users with existing accounts affected by rostering?

Any existing Remind users will have the opportunity to merge their accounts.

If the contact information (email or phone number) on file in your SIS matches the contact information on an existing account in Remind, the user's account will be matched and their account will remain the same.

If a teacher has an existing account with a different email, they will be prompted to merge their accounts. Merging will allow them to access both the new classes rostered for them through the Direct Sync or Clever sync, as well as any existing classes they either own, or were enrolled in before the sync. No previous information will be lost.

If someone needs help merging their accounts, they can reach out to our support team here.

How much time will it take for my initial sync to be complete?

Initial syncs can take anywhere from 20 minutes to 24 hours. For subsequent syncs, processing time should not exceed 8 hours.

When do rostered accounts classes become active in Remind?

During the Direct Sync or Clever sync, teacher, student and parent accounts are created immediately. Administrators can send a first notification to teachers prompting them to claim their account, however, teachers who are already active Remind users will gain access to their Remind classes immediately.

Classes do not become active in Remind until after a teacher logs into their account and accept their classes. You can share these instructions with teachers on how to setup their rostered account.

Can teachers still add people and edit their class information like they did before rostering?

Absolutely! Teachers can create classes outside of the Direct Sync or Clever Sync for extracurriculars, study groups, etc. and invite participants to join. Teachers can also add or remove participants from their classes that were created from the Direct Sync or Clever Sync.

User actions in Remind (like changing the name of a class) will not be affected by SIS Sync updates.

Are any automatic notifications sent to my community during rostering?

No. After the initial SIS Sync, notifications are sent out to rostered users when an administrator sends the first notification manually from the SIS sync report.

Read more about teacher, student and parent notifications here.

Can I edit the first Remind notification?

The first Remind notification is an auto-generated message from Remind that can’t be edited. However, we suggest that prior to rostering your school, you use our email templates to inform your community about the Remind rollout.

Or, after the first notification goes out you may send a personalized school-wide Remind message to your community. The users who were rostered via email will receive an email notification and the users who were rostered via mobile number will receive a text message notification.

I’m an administrator. What can I do if my teachers have duplicate accounts

Teachers can easily merge duplicate accounts! If a teacher needs help merging their accounts, they can reach out to our support team here. Teachers on the Remind Plan will receive priority support when they contact support with their school or district email.

How do I know my school was successfully rostered?

Once the initial SIS sync is complete for your school or district on Remind, you will be able to manage your SIS sync from the SIS sync report. The administrator who set up the SIS Sync will receive an email notification upon sync completion.

How often should I roster my school information?

It's up to you! Some of our schools and districts sync once a day while others sync less frequently like once a quarter.

Please note, withdirect sync, we recommend syncing your CSV files at least once every 90 days. In order to automate the removal of users and classes in Remind (based on changes that happen in your SIS), you must upload your CSV files at least once every 90 days.

Can rostered students, parents and teachers leave my organization on Remind?

District administrators can enable rostering enforcement from the district SIS sync report.Rostering enforcement allows you to remove the option for rostered students, parents, and teachers to leave your organization on Remind.

When rostering enforcement is enabled, administrators will need to remove users via a SIS sync update or individually from your people list within Remind.

You can create accounts for staff members, parents, and students in your organization without transferring data from your student information system (SIS). You can also classes and populate them. Click here for information about rostering with a SIS sync.

    Create accounts

Before creating accounts for anyone in your community, make sure to notify them about Remind. You can find email templates here.

Create Remind accounts with contact information

If you have contact information for people in a school, you can create accounts for them by adding them directly to Remind.

You'll need a spreadsheet with the full names and contact information of the people you'd like to add to Remind, separated into students, parents, and teachers. NOTE: An email address is required for adding teachers to Remind.

You can add up to 150 people at a time, and you can repeat the process as many times as necessary.

Once you have your spreadsheet, log in to Remind and go to a school dashboard.

Click on the Add people button in the top right.

In the menu on the left, select Phone or email contacts.

From your spreadsheet, copy and paste the required information into the table. The table will expand to accommodate your data.Be sure to copy all the information that you need at once (name, contact information, etc.). You won't be able to copy and paste a single column at a time.

Click on the Add people button to create their Remind accounts.

    here

When accounts have been successfully created, you'll see them appear in your organization's people list. You can also connect family members on Remind.

Invite people to join Remind with a school code

If contact information isn't available, people in your community can create accounts instantly with your school code. Like class codes, this is the unique code for each school on a Remind plan. For district administrators, every school in the district will have a different school code.

To find your school code, click on the Add people button in the top right of the school dashboard and select In-person instructions. When people text this code to the phone number 81010, their accounts will automatically be created.

To print out these instructions, select Printable PDFs to generate a customized flyer.

Tip: Post copies of this flyer in popular areas like the school entryway or at the front desk.

    FAQs

What if people already have Remind accounts?

If you create a Remind account for someone who already has an account, or if they text your school code to 81010, they'll be automatically added to your organization.

If you see duplicates of people in your organization, they might have signed up with a different email address or cell phone number. Contact the Support team to merge multiple accounts.

Does Remind comply with Children's Online Privacy Protection Act?

Remind complies with the Children's Online Privacy Protection Act (COPPA), so any student accounts you create are treated as accounts for children under 13 and limited to one-way messaging. However, students are immediately prompted to add their date of birth to their accounts. If they indicate that they're 13 or older, two-way messaging will be available on their accounts.

    Create classes

Follow these instructions to create a class. Make sure the class is linked to the correct school.

Follow these instructions to add the appropriate teacher(s) as class owner so they have management controls.

TIP: Creating a class will automatically make you an owner. You can empower teachers to create their own classes by following the same instructions.

Teachers and administrators can own up to 100 classes on their accounts.

Add people to a Remind class

There are two ways to add people to a class:

Follow these instructions to add people to a class in the same way that you created accounts for them at the school: by adding contact information or sharing a class code.

You can also copy people into a class from the people tab in your dashboard. Follow these instructions to add them to a class. Note: only admins have access to a full people list at the school level.

Training staff members to create classes

Administrators can create classes for teachers, or teachers can create their own classes. We recommend leading training sessions for your staff as part of rolling out Remind.

To receive messages right on their phoneswhether through text messages or app notificationsyour students need to have mobile numbers on Remind. Student Information Systems (SIS) don’t always include these contacts, but students can add mobile numbers to their rostered Remind accounts in less than a minute.

Here’s all they need to do:

    Take out their cell phones.

Text yourschool/class codeto the phone number 81010.

When prompted, reply with their student ID number. They’ll need to complete this step in order to receive messages on their phones. This student ID must match the student ID from the SIS provided during rostering.

81010 Day: 10 Minutes (or Less!) to Set Up Your Entire School or Class

To streamline the onboarding process, try organizing an 81010 dayfor your school. Just pick a date and time for all of your students to add their numbers to Remindand you’ll be set for the rest of the year.

It’s especially effective to schedule 81010 day for homeroom or whenever you make school or class announcements.

    Preparing for 81010 day:

Roster your community with SIS Sync (teachers, students, parents, and classes) with Remind.

Let teachers and staff members know about 81010 day and what’s involved.

Make sure students have and know their student ID numbers.

Print out copies of our 81010 poster, fill in your school/class code, and put them up where they’ll be seen (like the front office or hallways). Click here to download.

    On 81010 day:

Ask students to take out their cell phones and follow the steps above to add their mobile numbers to Remind. That’s it!

Need to find your school or class code?

How do I control which contacts are shared with Clever?

Review the rules you have set up in your SIS regarding the data you are sharing with Clever. If necessary, contact Clever to adjust your sync type or SIS to Clever mapping. All parent/guardian contacts that are shared with Remind will receive a rostered account. Because safety is important to Remind, we encourage you to ensure you do not share contact information for individuals who should not be able to communicate with certain students.

Clever only stores student emails. How can students add mobile phones to their rostered accounts?

Remind will roster student accounts with their email address and student ID from Clever. To have your students receive messages on their phones, follow these simple steps.

It's a new semester. Will my teachers automatically receive their new classes?

New classes and participants that are added in your SIS and to Clever are pushed to Remind nightly between 11pm and 5am PT (for most Clever sync types). All teachers need to do is refresh Remind to gain access to their new classes. Teachers will also receive an email to notify them about class changes. You can read more about class changes here.

How do I change my Clever sync setup configuration?

If you would like to change your Clever sync configuration settings after the initial setup, please contact the Remind support team.

How do I create classes in Remind that don’t exist in my SIS?

Clever Custom Sections allow district administrators to create and manage sections manually within the Clever Dashboard. Once custom sections are created in Clever, administrators can share them with Remind through the Clever sharing permissions interface. You can read more about Clever custom sections here.

Who do I reach out to for Clever technical support?

If you need help connecting your SIS with Clever or troubleshooting issues with your data in Clever, the Clever support team is best equipped to help. You may follow this link and a Clever support member will get back to you.

This overview covers the following topics:

    SIS sync Overview

How do I resolve sync errors or alerts?

Why was my sync placed on hold?

    SIS Sync Overview

Administrators at schools and districts that have rostered using direct sync or Clever sync can view the status of each school's sync on their SIS sync report.

    District Administrators

To access, head to the Settings tab in your district admin dashboard and select SIS sync. Here you will see all of the paid Remind schools in your district and the status of each school's Direct Sync or Clever Sync. You can drill into the sync details for each school by clicking the name of the school.

District administrators also have the ability to set up their SIS sync and to enable rostering enforcement.

    here

The district-level SIS sync report is sorted by sync status to help draw your attention to the most actionable information. If there are schools in your district that are not part of the Remind Plan, they will be in gray.

Teachers & Students indicate the number of rostered teacher or student user accounts that have been provisioned in Remind through the Direct Sync or Clever Sync.

Errors are issues in your SIS that prevent teacher or student accounts from being created. It's critical that you address these as soon as possible. Schools with errors will be highlighted in red and will display a red exclamation point.

Alerts are minor data errors in your SIS that, if fixed, would make Remind more useful and productive to use for your school community.

Sync status indicates the status of a school's Direct Sync or Clever Sync connection.

Connectedmeans yourDirect Sync or Clever Sync is successfully syncing the necessary data.

On hold means that Remind has detected an issue with yourDirect Sync or Clever Sync and the sync has been placed on hold.

Pausedmeans that Remind has deliberately paused the sync for routine maintenance (Clever Syncs only).

Processing means Remind is currently running an import from Clever or processing a Direct Sync upload.

Setup sync means aDirect Sync or Clever Sync has not been established.

    School Administrators

School administrators have visibility into the SIS sync status for the Remind school in which they are a school administrator. To access, head to the Settings tab in your school admin dashboard and select SIS Sync.

How do I resolve sync errors or alerts?

If a school's sync has errors or alerts, the SIS sync report will indicate this issue and you will be able to drill into the school to see details of the error or alert types with information on how to resolve them.

You can read more about SIS sync errors & alerts here.

Why was my sync placed on hold?

A school's SIS Sync will be placed on hold if Remind suspects a data configuration issue with your school information or if Remind encounters an issue with the Direct Sync or Clever Sync connection. You will be notified via email when a sync is placed on hold. Click into a school'sSIS Sync reportto find details on the hold type, including next steps on how to resolve the issue and resume the sync.

  • For administrators with a Remind plan.

As part of the Remind rollout, district administrators can choose to create user accounts and roster classes for their organization using one of Remind’s SIS Sync methods. After accounts are created, both district and school administrators can help their community get connected on Remind by sending them a notification (email and/or text message) from the SIS Sync report (at the school level) with directions to log in to their rostered account.

    message notifications

The first Remind notification ismanually triggeredby a district or school administrator. This is anauto-generated message from Remind that cannot be edited.

After the first notification is sent from the SIS sync report, any teacher, student or parent who is added to your school or district via a nightly SIS Sync will be auto-notified of their new account.

Prior to sending the first notification, we recommend that administrators turn off replies to their messages if they prefer not to receive replies from community members.

We recommend sending the teacher notification prior to the parent and student notification to allow teachers time to familiarize themselves with Remind.

    Teacher Notification

When you send the first teacher notification, teachers will receive an email to the email address used to create their Remind account with instructions to login and claim their classes. If teachers already have a Remind account, they will have the option to merge their accounts.

Once teachers claim their rostered classes, they will become active for the rest of your community. You can read more about the teacher account setup process here.

If teachers have a hard time locating the Remind notification...

If teachers can’t find the Remind email in their inbox, have them go to this link and type in the email address that was used to create their account.

If parents have both a mobile number and an email address on their account, they will receive both an email and a text message.

Students with six or more contacts

Students in your school data have six or more contacts associated with them. This could mean that emergency/secondary contacts are being shared with Remind.Emergency and secondary contacts are users that teachers don't typically contact. As such, we don't recommend creating accounts for them.

Download the CSV file of these students and review them. If you wish to sync them, click Ignore the hold and continue. Your sync will resume with the data we received.

    Direct Sync:

  • The Remind engagement rating allows administrators to assess engagement across an entire school organization. Calculated from national school data as well as Remind usage information, the rating determines whether schools are Emerging, Growing, Active, or Engaged.

    drop us a line

    Where the data is from

The engagement rating is based on publicly available school data from the National Center for Education Statistics (NCES) and usage statistics from Remind, both for individual organizations and aggregated at the state and national levels.

Until now, the Remind community engagement statistics displayed with each school’s rating have only been available to organizations with a Remind plan. These statistics are updated every month.

    How ratings are calculated

Using the data above, each school’s rating is calculated from the reach, cadence, and quality of engagement across the organization. The rating represents the percentage of a school community engaged during the past four weeks, so it updates monthly and resets every school year.

How to see your school’s engagement rating

To access your school’s custom page, which includes your rating, community engagement statistics, and strategies for improving engagement, just visit the Remind engagement rating site and search for your school.

    Organizations without an engagement rating

An engagement rating is available for every school with publicly available school data and Remind usage, minus organizations that currently have a Remind plan. If you can’t find your school page or engagement rating, it might be due to one of the following reasons:

Your organization isn’t a school. This means the NCES school data needed to calculate the rating isn’t available for your organization.

Remind isn’t used at your school. This means Remind usage statistics aren’t available for your organization. Once your school has educators, students, and parents actively using Remind, you should be able to see an engagement rating as well as community engagement statistics.

Your school already has a Remind plan. Rating levels are based on engagement for similar schools across the country. This is why ratings aren’t currently available for schools with a Remind plan, which typically have significantly higher engagement on Remind.

If you have any questions, or you’d like a closer look at the engagement statistics for your school, our team is happy to follow up. Just and we’ll be in touch!

This resource covers steps to take when an auto message isn't sent as expected. By following the steps below, you can better troubleshoot your auto messages on Remind.

Why wasn't my auto message sent?

Does the CSV file show up in the Uploaded files tab?

If the file doesn't appear in the uploaded files list, there's likely an issue with your CSV export and/or SFTP setup. Remind doesn't have insight into these issues, so you'll need to investigate them in your SIS and/or FTP client.

Was your CSV file successfully uploaded?

All administrators at your organization will get an email notifying them if there's an auto message file error. Go to (Settings Auto Messaging Uploaded files) in your administrator dashboard to drill into the auto message file error. Make sure the sent file is in the CSV format!

    Is the auto message active?

Confirm your auto message state is “active” in (Settings Auto Messaging Auto messages) in your administrator dashboard. If the state is “draft” or “inactive”, the auto messages will not be sent. Make sure that your SFTP auto messaging credentials match those in your SIS or FTP client!

Is the auto message sender a verified administrator?

Make sure that the auto message sender is a current, verified administrator on Remind.

Was the auto message sent out at the expected time?

Visit the file uploads page to see whether the necessary CSV file was transferred at the expected time. You can go to the (Settings Auto Messaging Auto messages) to see a history of all sent auto messages. Keep in mind that auto messages cannot be sent between 12am and 7am EST. Make sure all of your auto messages are scheduled after or before this period.

Why didn't some students or parents receive the auto message?

Is the missing student's ID in the most recent uploaded CSV file?

Confirm the student's student numbers were included in the CSV file transferred to Remind for this auto message. Student numbers can only be listed once in the student_number column.Sending an auto message with custom fields? Check out this article.

Are there any unidentified student numbers in the CSV?

Open the message summary by clicking 'View details' next to the sent message. Unidentified student numbers appear in the 'Unidentified people' section of the message summary.

Are there any missing parent connections (students without parents connected to them on Remind)?

Open the message summary by clicking 'View details' next to the sent message. Missing parent connections appear in the 'Unidentified people' section of the message summary.

Were there any delivery errors for the message?

You can see whether the announcements you send are successfully delivered to all the people you send them to by checking the message summary. Learn more here.
