Frequently Asked Questions About Teamable

  • Using Boolean searches to source is likely something you're all-too-familiar with. Boolean search can yield hyper-specific results, and help you find exactly who you're looking for, especially if your employees have lots of connections.

    To use Boolean search mode, navigate to your "Recruiter" tab, select the job for which you want to source, and under "Search Mode" select "Boolean."

    From here, you can enter specific strings of text in order to narrow down your matches.

    "AND" and "OR" logic

    You might use the following logic to find a sales manager:

    ("sales development representative" or "sdr" or "sales") and (manager or lead)

    Let's break it down:

    The parentheses indicate the grouping of the search terms - so all of these terms are interchangeable. You might find someone, for example, with the text sales development representative manager or sdr leadin their profile using the above search.

    The quotation marks keep the search terms grouped, so you'll find someone with the text sales development representative leadbut not development manager in their profile, for example.

    OR combines search terms so that each result contains at least one of the terms.

    AND combines search terms so that each result has to contain all of the terms.

    Quote note on quotation marks:If you're search for "web developer" you'll only see results with that exact phrase somewhere in the profile. If you search for web developer, though, you'll also find results with the words development, or maybe developing.

    "NOT" logic

    In another quick example, say you're looking for a mid level software engineer. You might use the following query:

    ("Software Engineer" or "Software Developer" or Developer OR Engineer) AND NOT ("business developer" or VP or HR)

    NOT excludes terms that come after it, so your search won't be clogged with lots of people working in business development if you were actually looking for someone in software development.

    Oh, and don't worry -AND, NOT, and OR are not case sensitive in our search.

    "Title:" Search

    Say you're looking for a Web Developer with some experience, but your search keeps returning Project Managers with "web development," in their profiles. This is a good reason to use the "title:" and "skills:" feature. This helps separate your search so that those terms are only searched for in the job title section of a candidate's profile.

    Your search might look something like this:

    ("web developer" or react or "front end" or CSS or JQuery) title: ("web developer" or "Javascript developer" or "front-end developer" or "react developer")

    "Skills:" Search

    You can also further refine your search using the "Skills:" search feature. You'd only want to use this feature when you're getting really specific - say, for example, you really need that engineer to know Javascript. You can use this search feature with or without the "Title:" search feature in order to further narrow your results.

  • Step by step instructions for adding your LinkedIn connections to Teamable.

    Request your connections

    Click the button below to begin:

    Click 'Pick and choose' to select the data files you're most interested in.

    Check Connections.

    Click 'Request archive'.

    This will download your connections.csv file

    You may have to enter your LinkedIn password to complete your request.

    Wait approximately 1-5 minutes. Then refresh the page to see the "download" button.

    2. Upload your connections

    Go to your Downloads or wherever your browser saves files to locate your connections.csv file.

    Back in Teamable, click in the green box to locate your connections.csv file or drag the file onto the green box.

    Note: it can take up to 24 hours for Teamable to fully enrich your network.

  • You can now edit templates if you are the owner of the job. You can also provide access to colleagues by changing the Template Owner.

    Log in to your Teamable Account

    Go to Account Settings and Click SETTINGS

    Choose TEMPLATES from the bar

    Click EDIT to edit the Message From Employee to Prospect

    Now you can make changes to the template (e.g., change the Subject)

    Choose Apply to all jobs if you want the edited template to apply to all jobs. Otherwise, it will be applied only to jobs where this template was edited.

    Click SAVE to save your changes.

    The Slack integration setup takes less than a minute. Once your companys Teamable admin enables the Slack integration, it is automatically enabled for you.

    Employees can receive Intro Requests from recruiters and respond.

    Recruiters can receive employee referrals, review them, and approve/reject.

    Respond to @ mentions in notes on potential candidates.

    Use Slack commands get access to resources and provide immediate app feedback.

    Admins- Enable Teamable:

    Search the App Directory for Teamable. On Teamable's page, clickSettings, thenApprove for Workspace.

    The Teamable app allows to get the following types of notifications:

    Employees can receive Intro Requests from recruiters:The employee can respond by writing a warm email intro to the prospect, without even leaving Slack:

    Recruiters can receive referrals from employees, review the prospect, and approve/reject.

    Users can reply to notes where they are mentioned written about candidates.

    After taking the action, the Slack message dynamically updates. See the example:We try to match your Slack ID with your Teamable account ID. If you have problems connecting your Slack account, you can go to the Teamable Slack channel and use "/connect" command to connect your Slack account to Teamable:If you do not want to receive notifications from Teamable via Slack, you can disable them by going to Notifications tab of your Teamable account settings as shown below:

  • What happens with my connections when I disconnect my network?

    When you disconnect your social network from Teamable, and your connection is connected to another employee in your company's Teamable account, theconnection remains in Teamable and can be visible on Search page.

    When you disconnect your social network from Teamable, and your connection is not connected to any other employee in company, connection is removed from Teamable in case if they have not been messaged. Here are the cases when your connection will be removed from Teamable:

    they are not sourced for any job

    they are in job's "Sourced", "Hiring Manager Review", "Intro Requested" and "Action Required" phases.

    When your connection is removed from Teamable, we are sending an email to job owner notifying them that the prospect is not in workflow any more. Here is how the email to job owner looks like:

    3. When your connection has been messaged in Teamable by recruiter or by employee (they are either in "Intro Made" or "Interview Status" stages in a job's workflow), they will still be visible and searched in job's workflow, but they will not be visible on search page. The prospect cannot be added to any job, or moved "from bucket to bucket" or "from job to job" because they don't have any connector in Teamable. If you are also candidate's referrer, then you will be seen in Workflow as referrer. However, the "Connected Via" column will be empty on connector card as you are not connected to prospect any more.

  • Below you can find step by step instructions on how to enable and disable webhooks from Lever.

    Requirement:The person who will enable and disable webhooks from Lever must have "Super Admin" role.

    All webhooks provided by Lever are supported in Teamable.

    Enable

    Log in to your Lever account.

    Go to the settings page.

    Click on the "Integrations" link.

    Go to "Webhooks" tab.

    Generate token (if not done already).

    Copy the Signature Token.Note: The "token" can be regenerated.

    Log in to your Teamable site.

    Click on the Admin Panel.

    Choose Webhooks under ATS.

    Paste Signature token generated fromLever. Click Save.

    Copy the URL in Step 2. below to add the webhook inLever.

    Go back to Lever and click on "Add webhook" button.

    Fill the URL from Teamable (integration.teamable.com/ats/hooks/lever/) and click Verify Connection.Note:URL must be filled without "https://" as it is already there.If everything is fine, the "Verify connection" button will become "Verified".Otherwise "Failed, try again".For example, in the above case, the URL was typed incorrectly. ("co" instead of "com")

    After successful verification click the "Enable" button.It will become green.

    Do the same steps with all other webhooks.

    Disable

    Follow the steps 1-4 from the Enable section.

    Click on "Disable" button.

    You will get this.

  • To configure webhooks in Jobvite, you need to submit a ticket to the Jovbite support team including the following information that you should take from your Teamable account:

    Public URL: Secure URL in which Jobvite will post events to https://integration.teamable.com/ats/hooks/jobvite.

    Signing Key: a secret key you would like Jobvite to use when sending the notification to ensure its originating from Jobvite.

    API Service Account Email Address: Dedicated Jobvite login used for API requests. E.g.,[email protected]. This user must be registered and accepted the Jobvite invitation. Discuss with yourcompanys Jobvite Admin to have this user registered. The email address must be one in which emailscan be received.

    To get the Public URL and the Signing Key, log in to your Teamable account.

    Go to Admin Panel.

    Click on Webhooks under ATS.

    You can now copy the Public URL and the Signing key.

    Note:

    The Jobvite Support team may ask you which events you want the webhook to trigger.Let them know you'd like to trigger all possible events in order to see all Jobvite updates in Teamable.

  • Below you can find step by step instructions on how to enable, edit, and disable webhooks from Greenhouse.

    Requirement:The person who will enable and disable webhooks from Greenhouse must have permission "Site Admin" and developer permissions on managing and configuring webhooks.

    Currently supported web hooks:

    Application updated

    Candidate has been hired

    Candidate has been unhired

    Candidate has changed state

    Candidate has submitted application

    Candidate or prospect rejected

    Candidate or prospect unrejected

    Candidate or prospect updated

    Delete application

    Prospect created

    Do not worry if you enabled other webhooks. They will not cause any errors or make any changes in Teamable.

    Enable

    Log in to your Greenhouse account.

    Go to "Settings" page.

    Go to "Dev Center". If you are not able to find the "Dev Center" link, it means that you do not have developer permissions. You can view your permissions in Greenhouse Account Settings. Greenhouse

    Click on "WebHooks" link.

    Do the same as in step 4.

    Click on a drop-down menu "When".

    Choose the event on which you want the webhook to be triggered. (You can create more than one webhook by following the same steps described).

    Log in to your Teamable site.

    Click on the Admin Panel.

    Choose Webhooks under ATS.

    Copy the Endpoint URL to paste in Greenhouse.

    Paste the Endpoint URL in Greenhouse.

    Copy the Secret Key to paste in .

    Paste the Secret Key in Greenhouse.

    Add error recipient email - emailaddress to which an email with the information of failure of sending a webhookwill be sent (optional).

    Leave the other fields empty and click on the "Create Webhook" button. If everything is done correctly, a message like this will appear. Otherwise, you will get an error message like this but the webhook will be created with status "Disabled?" = "Yes".

    In the above screenshot, for example, the URL was typed incorrectly.

    You can create webhooks on multiple events, following the same steps

    Edit

    Follow the steps 1-5 inEnablepart.

    Choose the webhook you want to edit and click the edit button.

    Make the changes you wish and click the "Update Webhook" button.If everything is done correctly, a message like this will appear. Otherwise, you will get an error message but your changes will be saved. The status "Disabled?" will be set to "Yes"

    Disable

    Follow the steps 1-5 inEnablepart.

    Choose the webhook you want to delete from the "Edit WebHook" list and click the delete button. The webhook will disappear from the "Edit WebHook" list. Or follow the steps in Edit part and change the "Disabled?" status to "Yes".

  • What is Whitelisting

    Whitelisting is when you manage your DNS settings to allow for emails from another source to appear that they are coming from your own email server.

    Why Whitelist your Teamable Domain

    Adding Teamable to your domain's email whitelist will allow introductions sent from Teamable to appear as if they were sent directly from employee email accounts instead of "via Teamable," making the intros appear more natural. This also allows for the emails to get through a possible SPAM filter and have your messages get through to your team members.

    How to Setup Your Whitelisting

    Enter your corporate email domain (e.g. company.com or company-hq.com) on the Teamable Whitelisting Page.

    Log into your Teamable Account (You need to be an Admin on the account to access the Whitelisting page in the Admin Panel).

    Click on Admin Panel on the top Right.

    Click Whitelist.

    Access your email hosting service or file a ticket with your IT department with the information for steps 3 and 4.

    Copy the CNAME and both TXT fields and their values into their respective fields at your email hosting provider.

    Add MX records.

    After the settings are updated at your email hosting provider, Teamable will automatically change the status to verified (this will take 24 - 48 hours).

    What do these fields mean?

    The CNAME record is necessary for tracking opens, clicks, and unsubscribes.

    TXT records are required to send and receive an email with Teamable.

    MX records are recommended for all domains, even if you are only sendingmessages.

  • Your shared connections within Teamable are used solely for the purposes of helping your company hire great people. Without knowing anything about you or your online activity, Teamable will automatically match the people you know with the open jobs at your company. Teamable will never contact anyone or do anything on your behalf. You can also remove your networks or delete your Teamable account at any time.

    Teamable allows you to connect the following social accounts:

    How to add your connections

    To add your connections, click on the Gear icon in the top right corner and choose settings. Then choose Networks.

    Note: the first time you create a Teamable account, you will be prompted to connect your networks. This is optional, but highly recommended. If you wish to create a Teamable account just to pass along a resume to your recruiting team, you may do so. However, most of the value for your company comes from employees participating in the company referral program by making their network connections available for the purposes of matching to the company's open jobs for the purposes of requesting warm introductions whenever there are great candidates whom you may wish to refer (you'll be helping the company and may also be eligible for a referral bonus).

    Click 'Connect' to connect a new network to Teamable.

    Click'Disconnect'to disconnect an existing network.

    Note: For each network type, you can add multiple accounts. For example, if you have multiple Gmail addresses or multiple Twitter handles, you can add each of them.

    Permissions Requested for Each NetworkThese are the permissions Teamable requests for each network type and how it is used within your company's Teamable network:

    LinkedIn

    Adds your LinkedIn connections to your Teamable network.

    Permissions granted: The equivalent of address book permission to your contacts via a one-time .CSV download and upload.

    Note: This is the same as exporting your contacts to place into another address book. You can look at the .CSV that you download in Excel to see exactly what information is being provided:

    Adds anyone in your address book or email as a connection in your Teamable network.

    Permissions granted: View your contacts.

    Twitter

    Shows mutual followers as connections in your Teamable instance.

    Note: Teamable gives you the option to DM any Twitter mutual follower or Tweet about a job at your company from within Teamable.

    In Twitter, choose settings> apps to see and manage the Teamable Software app.

    Github

    Shows who you follow and people who follow you as connections in your Teamable instance.

    Permissions granted: Access public information (read-only).

    In Github, choose settings>authorized applications to see and manage the Teamable Software app.

    Dribbble

    Shows who you follow and people who follow you as connections in your Teamable instance.

  • The best time to add new employees to your Teamable is during their new-hire orientation, usually their first or second week on the job.

    Most companies have some kind of onboarding program for new hires. These are opportunities not only for the new employee to fill out paperwork and provide two forms of identification, but, more importantly, a chance for the company to make sure the employee understands the companys history and culture, gets some face time with senior leadership for goal and mission alignment, and has access to all of the tools and resources necessary to more quickly become a productive member of the team.

    Introducing new hires to Teamable should be a part of every companys onboarding program.

    Depending on the size and culture of the company, this can be done in a number of ways, including:

    Including instructions and a link to the companys Teamable website, with information on what Teamable is and why the company relies on it for referral based hiring. Teamable has provided a short online deck, with a link to an employee FAQ, to help.

    Having the head of HR, the employees HR business partner, or someone in HR responsible for the referral program or onboarding new employees cover in person.

    If your employees are assigned mentors, having the mentor cover with the new employee.

    TimingTypically Teamable can be introduced most effectively before the end of the second week of employment. Employees hired through referrals are more likely to refer their friends and they do it more actively during the first days of employment. That's why onboarding with Teamable is most effective while the new employee is still getting up-to-speed on their new job duties.

    What specifically to ask from a new employee?You want to make sure that youre leveraging your new employees connections in order to grow your companys referral network. You should feel comfortable asking for any or all of the following, and new employees are eager to contribute and deliver early return on your investment:

    Sign up for an account on Teamable.

    Connect at least one network to Teamable.

    After data enrichment, make at least twenty referrals for the companys open positions.

    Mark top talent in your network.

    Help identify diversity hires if your company has any diversity initiatives in place.

    Bonus: doing any of these activities may make you eligible for a referral bonus ifthey'reoffered at your company.

    Consider holding an onboarding raffle or hosting sourcing sessions or offering office hours. Teamable Customer Success will work with you to apprise you of your options.

  • Q:Are our employees' shared network connections dynamic? If so, how can we tell when new matches are being displayed?

    A:All of the networks except LinkedIn are constantly refreshing. So Teamable will automatically pull in new connections as your employees add them. And when new employees join Teamable and connect their networks, new connections will appear organically as well for any of your existing job searches. New contact cards appear with a green flag.

  • Teamable makes it easy for you to track the progress of all of your referrals.

    Referral Submitted:shows all candidates who have been referred but who haven't been approved by the recruiter. This only applies to companies who turn OFF auto-approval for their referrals, meaning a recruiter has to "approve" referred candidates before they are pushed to the ATS.

    Referral Approved:Referrals move to this bucket when they are approved, if auto-approval is turned on, or recruiter messages them directly. The referrals sit here until we pull any status from the ATS, or mark them as "Interested" in Teamable.

    Referral Considered: Candidate moves to this phase when we mark them as "Interested" in Teamable or pull a new status from the ATS, for example: Recruiter Screen, Onsite Interview, HackerRank Test, etc.

    Decision Made:Includes candidates who have been Rejected, Hired, Not Interested, or the job was Archived.

  • Admins can get pipeline reporting from the Analytics section of the Admin Panel. These reports show key activities such as number of referrals via Teamable, number of hires and offers that we were able to automatically capture, number of employees who have signed up and have connected their networks, and Top Talent marked. Currently, there arethree dashboards: Users; Referrals and Talent.

    Please note that the reportingcovers only the last 3 months. We are working on expanding the date range.

    There are three dashboards: Users, Referrals, and Talent. All can be filtered by date range and department. You can hover over any chart for detailed numbers.

    Users Dashboard

    The Users dashboard will provide data for employees, recruiters, and admins, how many have connected to which network, number of users joined by month, and how many searches each recruiter made by date per job.

    Referrals Dashboard

    The Referrals dashboard will provide data by source ( recruiter-initiated, employee messaged, and resume upload)and departments. You can also view a comprehensive list of prospects and where they are in the pipeline.

    Talent Dashboard

    The Talent dashboard will tell you how many prospects are in Teamable, how many Top Talents were marked by month, as well as a detailed list of the Top Talent prospects.

    Part 1: IntroThink of Teamable as a curated list of first degree connections from your existing employees who opt in, sharing their first degree connections in networks like Facebook, Twitter, GitHub and LinkedIn.

    We match the jobs in your applicant tracking system with the data were able to find about these connections online. We show the connections your employees know who may not have been top of mind for the roles youre working on.

    There are three ways to refer in Teamable:

    Recruiter Sourced Warm Intros

    Employee Self Serve Warm Intros

    And Employee Direct Resume uploads

    We'll go through the 1st way during this session and how you can easily track all three.

    Lets get started!

    Part II: General Navigation and SourcingOpen your companys Teamable page. Its usually the name of your company dot teamable dot com.

    You will see the word Recruiter if you have recruiter permissions. If you dont, please contact your companys account administrator or Teamable customer success to have your account upgraded at no charge.

    Onceyou'vesigned in, youll see is a list of all of the open jobs at your company. These come in automatically from your applicant tracking system. You can search for a specific job or location or filter by jobs for which youre the owner.

    Whenyou'vefound the job youd like to source for, just click on the job title to get started.

    Teamable makes it easy to request intros and quick for your employees to respond with just a couple of mouse clicks.

    From the job search page youll have the option of clicking on Intro to request a warm intro from anyone at the company who is connected to the match, or Source if youd like to add a bunch of matches to the job list and consider each prospect in greater detail.

    For each candidate card, you can click on Info to get more detailed resume-like data including work and education history as well as skills. Below, youll also see the available social links Teamable has found and the employees at the company who can introduce you to the prospect.

    If the Messages or Lists tabs have a number next to them, that likely means the prospect has already been contacted or added to a previous list. You can click on either to read further details.

    Part III: Requesting an IntroLets send out a request for an introduction! Click on Intro and at the bottom of the candidate card, youll see everyone who can introduce you to the prospect. For each connected employee, youll see howthey'reconnected (from which social network) as well as that employees ranking on your companys leaderboard--an indication of their responsiveness when it comes to making warm referrals. By default, everyone will be selected. You can click the Send Requests button to send an individual request to each person, or you can click Clear and choose the employees youd like to ask. We recommend asking everyone as Teamable will let others at the company know if someone has already made the introduction when they click to respond.

    Thats it! Youve made your first request for a warm introduction.

    Part IV: TrackingWarm intros are the smartest way to approach a passive candidate. When an email comes from someone they know recommending a companythey'reinterested in, and arrives directly in their personal email, the prospect is much more likely to pay attention. In fact, we typically see open rates above 70% for prospects messaged in Teamable.

    You can track the results of requests for introductions directly from the tracking tab for this job and work the prospects through the rest of the pipeline until a decision is made.

    Sourcing works similarly but the email is not sent right away. This is a faster way to work if youre a sourcer or just want to tee up a bunch of potential candidates to review with a hiring manager. Simply click Source on anyone youd like to add to the job list. Once youre ready to review them, click on Tracking and youll see all of the sourced prospects appear under the Sourced stage. From here, you can get more detail on each by clicking on info. You can change jobs, you can snooze the prospective candidate, or you can click Send Request to ask any or all of the connected employees at your company for a warm introduction.

    We match your companys open jobs with people you know based on their skills, work, and education history. Keep in mind it can take up to 24 hours afteryou'veconnected your networks before everyone you know is being displayed.

    When you make a referral, your recruiting team will already provide some suggested text so its just a couple of clicks for you to reach out to anyone who might be interested--and youll still get the referral credit if your recommended candidate is hired.

    Lets get started!

    Part II: General NavigationOpen your companys Teamable page. Its usually the name of your company dot teamable dot com.

    Onceyou'vesigned up and connected your networks, click Refer to get going. The default page will be your pending intros. These are requests your recruiting team have already made for people you may know. Take a minute to let your hiring team know ifthey'rea good fit or not, or if youdon'tknow them, or would prefer for the recruiting team to contact.

    To see what jobs are open at your company and who might be a good fit from your network click "Jobs." For any job your recruiting team has marked as hot, youll see a fire icon and people you may know directly from the job page. Click on the job to review your suggested matches.

    From here, you have the option of searching for the name of a former co-worker or classmate. You can also upload a resume directly. Or you can click Refer to make the referral.

    When you click Refer, the suggested text appears. You can modify the subject line or body if you wish but itisn'trequired. By default the job owner or owners will be ccd on your introduction. Click Submit Referral to send the message. Depending on how your company has configured the job, the email will either go out right away to your referral or it may be queued for review by the recruiter who owns the job.

  • Teamable integrates directly with Greenhouse, JobVite and Lever applicant tracking systems.

    Here are a couple of points to help you understand how the integration works:

    Teamable will ping your ATS approximately every 30 mins. During this ping we will:

    Check for any new open and published positions.

    Check for any changes in your current roles, i.e. any change in the assigned recruiter.

    Check the status of any active candidates. (Employees can follow the status of their referral in Teamable.)

    When a message is sent to a prospective candidate via Teamable, a profile is created for the candidate and imported into your ATS. This profile contains their personal email and all of their social links as well as any of the notes from Teamable. The candidate is moved into the New Lead or Prospects stage of the role for which the candidate was identified.

  • Teamable integrates seamlessly with Greenhouse which helps get new referrals every time a new job opens and better convert the referrals into great teammates.

    Enabling the Greenhouse integrations means you will get more hires with less work on your side and avoid potentially awkward situations with employees referring candidates that have already been rejected for example.

    You will need to give us two API keys:

    Teamable partner key- enables us to automatically pull in your jobs and to auto entry referrals made through Teamable into Greenhouse.

    Harvest API key- enables us to check candidates in Teamable (aka people your employees know) against candidates in Greenhouse to ensure no one refers someone who is already in Greenhouse, to keep your team from having to flip back and forth, and to update the statuses automatically of referrals made through Teamable so employees can see their progress in the tracking page. Without this, a lot of the advanced sourcing automation that saves your team timewon'twork.

    Instructions for obtaining each below.

    NOTE from Greenhouse if you don't see the Dev Center and cannot create a partner API key:

    Users who need access to manage API credentials for your organization will need to be assigned access to do so. Users of any type (Basic, Interviewer, Job Admin, or Site Admin) can be assigned one or both of the following permissions:

    Can manage Job Board related API Credentials

    Can manage ALL organization's API Credentials

    Users with Site Admin permissions who also have the advanced "Can edit another user's advanced permissions" permission will be able to assign these API management permissions to other users. Here are the steps:

    Copy and paste the Teamable API key into a new email by clicking the copy button.

    HARVEST API KEY

    Next, copy the Harvest API if it already exists and paste it into the email.

    If it doesnt exist, again, hit 'Create New API Key' and choose Harvest API. Once created, copy into the email.

    Once you have both API key strings, log in to Teamable with your Admin account.

    Go to ADMIN PANEL

    Click ATS Configuration

    Choose Greenhouse from ATS drop-down list

    Enter your Partner Key

    Enter your Harvest Key

    Click Verify

    Note: You might see an error message like this if your keysdon'thave permissions to sync either Employees or Jobs from Greenhouse.

    If your keys have the permissions, you will get this message. Click CONTINUE WITH CONFIGURATION.

    Choose who you want to be your Default job Owner in Teamable. This is who owns the job in Teamable whenever the person who is the primary job owner in Greenhouse has not created a Teamable account.

    Note: You might see an error message like this if the default owneryou'veselected is not signed up in Greenhouse.

    Click SAVE.

    Greenhouse configurations are now processing. You will receive an email when the Greenhouse integration is activated.

    Note: for the Harvest API key, you will need to grant all of the following permissions in order for us to have bi-directional communication:

  • An active candidate is someone whose resume has been uploaded by an employee at the company.

    TheResume Uploadfeature allows any employee to refer a friend or former colleague directly for any open position at your company. These prospects should be reviewed first as they're actively interested and the easiest to close.

    To submit a referral, the employee simply provides the following information for their referral candidate:

    Prospect's full name.

    Prospect's email.

    Prospect's phone number.

    Job the prospect is being referred for.

    Additional optional questions about the prospect (How do you know the prospect? How strong do you feel about the prospect's chances? Have you worked directly with the prospect in the past?).

    Any additional notes.

    Reviewing the ProspectAs a recruiter, you will receive an email notifying you of a new referral. From there you can either directly email the candidate, review their resume, or message the employee.

    Since this is a direct referral, the prospect is automatically sent over to your ATS as an active candidate for the job they were submitted for. From there, you can evaluate the prospect and move through your candidate pipeline.

  • We understand and appreciate the value of your professional network. Its somethingyou'vebuilt up over the course of your life. We keep that in mind as we build our product, in addition to meeting rigorous privacy and security requirements.

    The data you are sharing with Teamable is not the personal information of your connections, but simplywhoyour connections are. And we only store that mapping of you to your connections within your companys Teamable account. If you ever decide to remove your connections or if you leave the company those are immediately deleted and no backup is saved.

    We also value your connections privacy! The information we use to suggest your connections as possible candidates for roles your company is hiring for uses data your connections have made public on the internet, like the positions theyve held on their LinkedIn profile, codethey'reposted on GitHub, or their design portfolio theyve shared on Dribble.

    Uploading your contacts into your company's Teamable site benefits you, your contacts, and your company in many ways, but it's understandable that you may have some questions about what exactly you are giving Teamable and your hiring teams access to, and how this information can be used.

    Teamable takes your privacy very seriously, does not share your contacts, does not access your computer, your emails, or any data in your social networks other than your friend list, and does not message anyone on your behalf without you editing the message and explicitly hitting send. You can also delete all history of your contacts at any time.

    Frequently Asked Questions:

    1.Can you see anything in my social networks?

    No. Teamable only accesses the name and contact info of your contacts across your various social address books. Its like uploading a giant spreadsheet of the names of your contacts. Teamable then crawls the web, much like a search engine, to understand who your contacts are and what positions in your company they might be good fits for. Teamable cannot see your email messages, your newsfeed, your profile, your posts, your tweets, or anything of the sort just the names of your contacts.

    2. Do you share my contacts with anyone else?

    No.Teamable does not share your contact data and maintains comprehensive security measures to protect your privacy. Each company has their own site that is unique to that company. The only people who have access to your contacts are you and the designated people on your hiring team who will do targeted searches in everyones contacts to find people who look like great fits for open positions. The people on your hiring team will not message your contacts on your behalf but rather ask you to make the first outreach through a two click mechanism where you have complete control over the message. They will have written a template for you, but you can edit it as you see fit. You can also delete your contacts and account at any time.

    3. Why would I participate in this?

    Hiring the right talent quickly, and without laborious sourcing jams, interviews, and other non-starters, is something that benefits everyone in a company in many ways, including creating a better work environment, minimizing distraction from getting things done, increasing the value of equity for everyone, maintaining a competitive advantage, increasing creativity, employee longevity, and all the other benefits that having the best teammates add to a team.

    Not to mention how important it is for your own growth to work with great people. Great people usually already have jobs somewhere else, but you reaching out to them can convince them to join your company, either now or later, instead of the other opportunities they have.

    As far as how it helps you specifically, for less than 3 minutes of your time per month, you can:

    No. No one at Teamable will ever send messages on your behalf to any of your connections or ever post to any of your social media accounts.

    5. Can anyone on my company's recruiting team send messages or post on my behalf without my permission?

    Your recruiting team cannot post to any of your social media accounts.

    To save time, your recruiting team will send you a suggested message that you can send, but you have the ability to edit each message or reject it completely. You also have the ability to say youdon'twant to contact anyone,they'renot a good fit for your company, or youdon'tknow them well enough with just one click.

    In cases where you say 'Don't know', 'Not a Good Match' or pass to the recruiter to reach out, the recruiter may contact your connection directly to inquire about their potential interest in a particular job.

    Your recruiting team also has the ability to see all first degree connections at the company and may, at their discretion, contact any prospective candidate directly. This typically occurs, for example, after hearing feedback from you outside of Teamable. All recruiters are coached that the best way to engage a prospective candidate is through the personal and professional relationship that already exists with you, the employee.

    6. Do the messages come from Teamable?

    No. There are no Teamable branded messages ever sent to any of your contacts. Most of the messages will go to personal email addresses of your contacts, with your recruiter CC'd on the intro, and appear like a regular piece of email, sent from your company email address. We do embed an invisible pixel in every email to help your recruiting team know whether the message was opened and whether a jobs url, was clicked on, as both are leading indicators of interest, and would let your recruiting team know to follow-up with the prospective candidate.

  • How to Integrate Jobvite ATS with Teamable.

    When Jobvite is integrated with Teamable, Teamable automatically synchs your company's jobs and job owners to Job Lists and pushes candidates who have been emailed or passed back to the recruiter to contact. Teamable also has a listener to obtain the latest status on any candidate and display it within Teamable.

    Jobvite Engage

    In order to connect Teamable with Jobvite, you will need to have the Jobvite "Engage" module enabled and request the following from the Jobvite Customer Success Team :

    api_key

    api_secret

    IMPORTANT NOTE: These keys must have access to all 3 APIs:

    Job API

    Contact API

    Candidate API.

    You will also need to ask Jobvite support for the GET EMPLOYEES key permission.

    Once you have them, log in to your Teamable Admin account.

    Custom SourceNext, you will create a custom source in Jobvite.

    In the Admin view, click on Configurations>Sources>View Sources.

    Click Add Candidate Source.

    Type in 'Teamable prospect' (without single quotes). Teamable uses this source type to mark contacts created as a result of social referral.

    Check Display on career site.

    Make sure radio button 'Can contain subitems' is checked.

    Click 'Submit'.

    Type in 'Teamable candidate' (without single quotes). Teamable uses this source type to mark contacts created as a result of resume upload

    Make sure radio button 'Can contain subitems' is checked.

    Click 'Submit.'

    That's it! Teamable will now synchronize with your ATS approximately every half hour.

    Creating Jobs in Jobvite

    To create a new requisition in Jobvite, click onRequisitions>+Add Requisition.

    Make sure to choose All Employees (Internal) or Everyone (External) for the posting type in order for it to be picked up by Teamable.

    Click Open Requisition.

    Go to Teamable and

    Note: If you change the name of the job and update the req, it will be updated in Teamable as well. Job update tasks run ~60 mins, so every change related to jobs in Jobvite will show up in Teamable within an hour.

    Adding Candidates

    When a candidate message is sent out by an employee to a prospective candidate from Teamable, or passed back to the recruiter to reach out to directly, Teamable pushes that prospective candidate and any notes on Teamable activity, including the message to the candidate, to Jobvite.

    In Jobvite, the prospective candidate will become a contact, findable from the pipeline view.

    Simply search by name to find the candidate.

    Click the name to see complete details on the candidate. In the example below, this is a new prospect with two notes. If you click on Notes, you will see the notes from Teamable that were created when the prospect was pushed to the ATS.

    2. To add the prospect to an existing requisition, click the + Add to Requisition button.

    Choose the requisition and click select.

    The contact is now an active candidate for the requisition.

    Teamable Listener

    Teamable has created a listener that will update the status of the candidate as he or she moves through your Jobvite funnel.

  • Hook your friends up with their next dream jobs. Connect your Facebook to your Teamable account, and we'll identify who in your network would be a great fit for your company (and your lunch table.)

    By uploading your Facebook friends, your hiring team will have the names of your friends- that's it. They will never post on your behalf, contact your friends, or see any of your information without your permission. You can disconnect Facebook from your Teamable at anytime.

    It's quick and easy!

    From Teamable, click on account settings, then networks settings. Scroll down until you see Connect to Facebook, and click connect.

    Click Go to Facebook and sign into your account. You will be directed to "Your Facebook Information"

    Pick "Download Your Information" -> select only "Friends" -> choose "HTML" format and click on "Create File" button. You will be notified when your file is ready.

    From your Notifications tab, click on Your Facebook data is ready for download and Download Friends file.

    Got the Zip file? Then you are all set to continue. Go back to your Teamable account, and in the Connect to Facebook section, drag and drop your file into the green box, or click to upload.

    Youll see a notification that your Facebook is connected.

    Processing your Facebook connections can take a while, so well send you an email when its done. In the meantime, youll see this green notification on your Networks page.

    Please note that we are only processing only publicly available data of your Friends, so some of your connections might not be in Teamable.

    And thats it. Your Facebook connections are on their way. Connect more networks and start referring with Teamable to help your companys team grow!

    Configurations

    The Teamable application at PingOne has only SAML SSO implementation. So there are a few steps to configure it.

    1. Go toApplications>Application Catalog, search "Teamable" in the catalog and click on it to start configuration.

    3. Click on "Continue to Next Step".

    4. Replace${companyname} inACS URLandEntity IDto the company name in the Teamable subdomain. If your Teamable URL isthen replace${companyname} topingone. Then click on"Continue to Next Step".

    5. Fill in mappings as follows. Thenclick on"Continue to Next Step".

    6. Then click on "Save & Publish".

    7.At 5th step - "Review Setup", download SAML Metadata and sent to Teamable support(configuration from admin panel for PingOne will be enabled soon). Then click on "Finish". When support of the Teamable enables SSO you can assign users to sign on Teamable.

    After configuration of SSO to sign on Teamable, the application must be assigned to a user. Only after that user can sign on Teamable.

    All users must have at least First Name, Last Name and Email fields(email field must be filled by emails only, not numbers or IDs).

    At PingOne to assign a user to the application you must assign a user to the Group then assign applications to that Group. For that, there are a few steps to assign applications to users.

    1. Go toUsers>User Directory>Groupsand click to "Add Group" or if the group already exists then click on "Edit" to a group where you want to make changes then continue from 3rd step.

    2. Give a name to the group, check role, for exampleUser Managerrole and click on "Save".

    3.Go toUsers>User Directory>Usersand click on "Edit" to add the user to the group.

    4. In Group Membership settings click on "Add" to add the user to the group.

    5. Fing group that you want to add, check it then click on "Add".

    6. Check group in membership list and then save user changes.

    7. Go toUsers>User Groups,find the group to assign to the Teamable application.

    8. And add the Teamable application to this group.

    Then you can go to dashboard and clickonYour PingOne dock URLto go Desktop PingOne and to login Teamable.

  • How to integrate your Lever ATS with Teamable.

    Teamable integrates seamlessly with Lever which makes it easier to get new referrals every time a new job opens and convert these referrals into great teammates.

    To set up Lever integration, you will need to be a Super Admin of your Lever instance.

    We only need one Lever API key, but there are two places to look in Lever depending on which version of Lever you're using.

    1) Enterprise Lever:

    Go to Settings>Integrations>API Credentials

    If you have Enterprise Lever and are an administrator, you will have the ability to click 'Generate New Key' for the Lever API credentials (not Postings API credentials). It will look like this:

    Start by clicking 'Select All Candidate' permissions.

    Then be sure to click 'read user' and 'list posting'. See below for a list of all of the permissions required to ensure Teamable is able to synch users, jobs, candidates and applications:

    Copy your new API keyinto clipboard. Click Done button.

    Log in to Teamable with your Admin account.

    Go to ADMIN PANEL

    Click ATS Configuration

    Choose Lever from ATS drop-down list

    Paste your API Key

    Click Verify

    If your key has the permissions, you will get this message. Click CONTINUE WITH CONFIGURATION.

    Note: If you have Enterprise Lever, you will get this message

    Choose who you want to be your Default job Owner in Teamable. This is who owns the job in Teamable whenever the person who is the primary job owner in Lever has not created a Teamable account. Click SAVE.

    Note: You might see an error message like this if the default owneryou'veselected is not signed up in Lever.

    Lever configurations are now processing. You will receive an email when the Lever integration is activated.

    That's it, you're finished!

    2) Professional Lever:

    Go to Settings>Integrations>API Credentials

    If you don't have Enterprise Lever, you will see the following in the Lever API credentials area:

    You can contact Lever to inquire about how much additional it would cost to move to the Enterprise version of Lever or you can continue and obtain the Partner Integration Key for Teamable.

    To obtain this key, click on the Partner Integrations tab:

    Then scroll down to the Sourcing section.

    Then turn on Teamable.

    The Teamable partner key enables us to automatically pull in your jobs and to automatically enter referrals made through Teamable into Lever.

    Accept the default permissions.

    Copy your new API keyinto clipboard. Click Done button.

    Log in to Teamable with your Admin account.

    Go to ADMIN PANEL

    Click ATS Configuration

    Choose Lever from ATS drop-down list

    Paste your API Key

    Click Verify

  • OneLogin is one of the many supported SSO security authentication services that can be used with Teamable. This guide provides the steps required to configure Provisioning for Teamable.

    FeaturesThe following provisioning features are supported:

    Push New Users

    New users created through Onelogin will also be created in the third party application.

    Push Profile Updates

    Updates made to the user's profile through Onelogin will be pushed to the third party application.

    Push User Deactivation

    Deactivating the user or disabling the user's access to the application through Onelogin will deactivate the user at the third party application.Note: Teamable does not support group provisioning.     Configuration Steps

    Configure yourProvisioningsettings for Teamable as follows:

    SSO Configuration

    1. Log in to your Onelogin account then go toAdministration>Apps>Add Apps, then search and add a Teamable app to your applications.

    3. Go to "Configuration" tab. Add "Teamable Subdomain". For example, if your Teamable URL is https://friends.teamable.com, then "Teamable Subdomain" must befriends.teamable.com.

    5. Go toyourTeamable account-> Admin Panel>SSO Configurationand select Onelogin SSO.

    Only Admins at Teamable can generate token and set up SSO.

    6. Paste the copied URL in "Onelogin Issuer URL" field.

    7. Don't forget to save your SSO settings.

    Provisioning configuration

    In order to configure provisioning, you must have your SSO configuration already set up.

    To enable provisioning and generate Teamable's bearer token, go to the Teamable "SSO Configuration" tab and (1) click the "Generate Key" button, (2) Click the copy button and (3) Click "Save".

    Go to OneLoginTeamable application's "Configuration" tab and fill the necessary fields as follows:

    (1). SCIM Base URL: Should be "https://" + Teamable Subdomain + "/api/v2/scim". For example, if your Teamable Subdomain isfriends.teamable.com, then SCIM Base URL will behttps://friends.teamable.com/api/v2/scim.

    (2). Paste the copied bearer token in "SCIM Bearer Token" field.

    (3). Click "Enable" button.

    !Make sure that API status is "Enabled".

    4. Go to the "Provisioning" tab and click on the checkbox "Enable Provisioning for Teamable".5. To configure "Deprovisioning Users" in Teamable, select the "Delete" action from "Delete" drop down.

    6. Save all changes.

    Assigning users to Teamable application

    After configuring your SSO and Provisioning, you should assign Teamable to Roles from "Access" tab or manually add the application to users and manage users provisioning from the "Users" section of the Teamable application of Onelogin.

    SSO:

    Users will be able to sign in to Teamable only after they have been assigned to an application.

    All users must have at least First Name, Last Name and Email fields(email field must be filled by email addresses, not numbers or IDs).

    There are two ways to assign the application to a user:

    Assigning to a single user.

    Go to yourOnelogin>Users >All Users. Find a specific user.

    Go to the"Applications" tab and assign a Teamable application to that user.

    If provisioning is not enabled, you will not see the provision button.

    Otherwise, you will see it for all users.

    Note: The user can sign in to Teamable even if they are not provisioned yet. For more info about provisioning read this.

    2. Assigning to a group of users

    First, make sure your users in OneLogin are assigned to the roles for theTeamable application.If you want to assign theapplication to a group of users, you have either to edit the existing role or create a new role.

    Go toUsers>Roles.

    To add a new role, click on "New Role" button. Give a name to the role and save.

    Edit the role: Click on the role from the list.

    The Teamable application is already assigned to theTeamable role in this screenshot. To assign another application click on "plus" icon.

    Choose the application that must be assigned to the role and save it.

    After saving, the application will be added to the role, as you see in the picture below.

    Now to add users to that role, open it again and go to "Users" settings. Check existing user and click "Add to Role".

    After this action, all users of the role must be visible in the application users list ( go toApps>Company Apps>select "Teamable" application> "Users" tab).

    If provisioning is not enabled, the user list will look like this.

    If provisioning is enabled, you will see the Provisioning State as follows:

    !You can also manage role access from the application's "Access" field.

    The user can sign in even if they are not provisioned yet.For more info about provisioning read this.

    Provisioning

    After assigning all users to theTeamable application and enabling provisioning, you must complete the following steps to provision those users.

    OneLogin provisions newly assigned users piece by piece periodically, but it is possible to send all pending users' requests to Teamable. All users who have been newly added to the application, have been updated or deleted, but not provisioned yet, have the"Pending"status .

    Create user

    To createnew assigned single users in Teamable(to provision) click on pending button on each user. A pop-up window will appear. Click on the "APPROVE" button.

    It takes a few seconds to provision a single user.

    If the user was successfully provisioned, it will have"provisioned"status, otherwise, it will show as "failed".

    To see the error, click on "failed" status button.

    Once the issue is fixed, you can click on the "Retry" button.

    We provision thefollowing fields: First name, Last name, Email, and Department ("Title" and "Location" will be provisioned in the future). Users who are provisioned but haven't logged in to Teamable are marked as "New", otherwise they will be marked as "Active". You can see a user's status by going toTeamable>Admin Panel>Current Userspage.

    If auser's department doesn't exist in Teamable, the department will be created in Teamable. If auser doesn't have a department at OneLogin, in Teamable, they will be assigned to "Other" department.

    2. Update user

    If any of the user's fields are updated, their status will change to "Pending". Again, users will be updated piece by piece periodically, but it is possible to update a single user or send all pending users requests to Teamable the same way as the creating requests.

    2.1 Send all pending requests

    Filter all pending requests

    Apply "Approve" to all users with pending status

    2.2 Filter users with failed status

    Filter all failed requests.

    Apply "Retry" to all users with failed status.

    De-provisioning

    Users can be de-provisioned in Teamable in 3 ways in OneLogin:

    disabling the user's access to theTeamable application in Onelogin

    deactivating a user

    directly deleting a user.

    1.Disabling user's access to Teamable application in OneLogin

    There are two ways to disable users access to the application.

    Disabling a single user's access to the application.

    (1) Click on the user that you want to disable from the application user list (Apps>Company Apps>select an application>click on "Users" tab) or (2) click on the application from the user's applications list ("Users">"All Users">select a user>go to "Applications" tab>choose Application.

    Then click on "Delete".

    If the application was assigned to a user only through the role, then you need to (1) remove that user from that role and (2) save role.

    Approve pending requests as described above in the "Provisioning" sectionor wait for OneLogin to process that.

    Disabling role access to the application.

    (1) Go to Accesssettings of application -"Apps>"Company Apps">Select an Application>go to "Access" tab or (2) go to Applicationsettings of the role- "Users">"Roles"> "Applications" and remove corresponding role or application respectively.

    Approve with the "Save" action.

    Approve pending requests as described above in "Provisioning" section or wait for OneLogin to process that.

    Users who were deprovisionedcan't be added to the application using the same role. Only after removing from the role and adding that user again to that role, will it be possible to re-assign that user. Or you can add them manually.

    2.Deactivating a user

    Find a specific user, make inactive and save.The user will not be unassigned from the application if deactivated.

    3 User directly deleted

    If you directly delete the user, they will be deleted from all applications. Approve pending requests as described above in "Provisioning" section or wait for OneLogin to process that.

    Troubleshooting Tips

    Users without Email and First Name and Last Name in their OneLogin profiles cannot be imported to Teamable as new users.

    Users deactivated from OneLogin cannot be reactivated in Teamable.

    5. Copy the IDP Metadata URL and go to Teamable.

    6.Only Admins at Teamable can generate the token and set up SSO. To do that go to https://yourcompany.teamable.me.

    7. Go to theAdmin Panel>SSO Configurationand select Okta.

    8. (1) Paste the "IDP Metadata URL" that you've copied from Okta. (2) Update the copied URL as follows: add 'teamable/' after '...app/...' and remove '/metadata' and fill that new URL in 'Okta Login URL'. For example, if we have https://teamable.oktapreview.com/app/exkfz4vv1wcAzKfZu0h7/sso/saml/metadata then it will be https://teamable.oktapreview.com/app/teamable/exkfz4vv1wcAzKfZu0h7/sso/saml. (3)Don't forget to save your SSO settings.

    If you don't want to enable provisioning then you can save the changes and then manually assign to users in the Teamable users section of the Admin Panel. Otherwise, continue the following configuration steps.

    Provisioning configuration

    1.To enable provisioning and generate Teamable's API token, go to the Teamable "SSO Configuration" tab and (1) click the "Generate Key" button, (2) Click the copy button and (3) Click "Save".

    2. In your Okta account, go toTeamable>Provisioning>API Integrationand click on "Configure API Integration" button.

    3.Check "Enable API integration".4. Fill in the API Token field with the copied token (key). Then click on "Test API Credentials".5.If the verification is successful, you will see the pop-up message: "Teamable was verified successfully!" Click "Save". Otherwise, contact Teamable support at [email protected].

    6.Teamable only supports "from Okta to Teamable" integration, so go Provisioning > To App, click "Edit", and enable the following settings: "Create Users", "Update User Attributes", "Deactivate Users" and click on the "Save" button.

    7. After finishing the above steps, go to the "Assignments" tab and assign users to Teamable.

    SSO

    After the SSO configuration, the application must be assigned to a user. Only after that, can a user sign in to Teamable.There are two ways to do so.

    All users must have at least First Name, Last Name and Email fields(email field must be filled by email addresses,on numbers or IDs).

    Assigning to a single user.

    1. Go to the Teamable application under the "Assignments" tab, clickAssign>Assign to People.

    2.In the popup,(1) search the user name,(2) click "Assign", then(3) "Save and Go Back" and (4) when you have finished, click "Done".

    Note: The user can sign in to Teamable even if they are not provisioned yet. For more info about provisioning read this.

    Assigning to a group of users.

    1.Create a Group for Teamable and assign only that Group to the Teamable application. Go toDirectory>Groups.

    2.Click to "Add Group".

    3. Type in a name and description to that group and click "Add Group".

    4. Click on the group name to edit the group.

    5.Add members to that group to assign them to the Teamable application.

    6. (1) Search for the member, (2) Click "Add", and then(3)when you have finished, click "Done".

    7.Assign a Teamable application to that group.

    7'. You can do it also from the application settings. Go toAssignments>Assign>Assign To Groups.

    (1) Search for the group by name,(2) assign Teamable to that group,(3) be careful with departments, (4)when you have finished, click "Done".

    8.Enter the departments and locations.

    9. Also, make sure that "Everyone" group is not assigned to Teamable application. Remove, if it is assigned.

    Note: The user can sign in to Teamable even if they are not provisioned yet. For more info about provisioning read this.

    Provisioning

    To provision users from Okta to Teamable, you just need to assign them to the application. In Okta, all requests are sent immediately.

    If for some reason the user provisioning has failed(i.e. the token wasn't updated), you will see an error message.

    !Okta will try to send request periodically. If the issue is fixed then the red sign will disappear.

    You can also create/update/delete requests manually.

    1. To resend requests go toDashboard>Tasks.

    2. You can search the user task that failed or you can change and filter task that is only related to the Teamable application.

    3.Search the Teamable application to resend all tasks. In this case, our current application is Teamable(6). Click the "Filter" button.

    4.Failures have a red sign. Click on the task to resend requests.

    5. You can check one failed or all failed requests and click "Retry Selected".

    If after refreshing the page the failed task appears again, the issue has not been fixed yet. To see the error message, click on the task. Send that message to Teamable support at [email protected].

    Create user

    We provision thefollowing fields: first name, last name, email, and department ("title" and "location" will be provisioned in the future). Users who are provisioned but haven't logged in to Teamable are marked as "New", otherwise they will be marked as "Active". If the user department doesn't exist at Teamable, it will be created. If the user doesn't have a department in Okta will be asigned to "Other" department in Teamable.

    Update user

    After updating any of the fields from the mapping of the Teamable application, Okta sends an update request to Teamable.

    De-provisioning

    In Okta, there are two cases of user de-provisioning from Teamable.

    disabling the user's or group's of users access to the application,

    deactivating the user.

    Disabling the user's access to the Teamable applicationat Okta

    There are also two ways to disable a user's access from the application.

    1. Disabling a single user's access.

    Go toTeamable>Assignmentsand remove a user from users list. The assignment of a user must have the type "Individual".That is the user who is assigned manually.

    If a user is assignedthrough Group and has the 'Group' type of assignment, you can't disable their access manually. You must disable them from the group.If you disable the user's access to the Group, they will be disabled from all application that is assigned to that Group.To do that, go toDirectory>Groups, find the necessary group and click on it. Find the user that you want to de-provision and delete as follows.

    2. Disabling access of a group of users from the Teamable application. GoAssignments>Groups, find the group you want to disable then remove as follows.

    Also, you can disable the application from the Group settings. Go toDirectory>Groups>Appsand remove the application.

    Troubleshooting Tips

    Users without Email or/and First Name or/and Last Name in their Okta profiles cannot be imported to Teamable as new users.

  • Not using SSO? No problem. Follow these simple steps to create a Teamable account at your company:

    Teamable makes it easy for companies to use their existing SSO (Google oAuth, OneLogin or Okta) with Teamable. Read more.

    However, you can also sign in and create an account without oAuth.

    Here's how:

    1. From your company's Teamable home page, scroll down to the bottom and click on the 'Sign up here' link.

  • Whenever someone at the company uploads a contact's resume, you can have Teamable send that contact an email with the job link to formally apply.

    To enable this option for your account,please contact Support.

    Once enabled, the notification will appear at the bottom of the 'Add New Resume' page for everyone at your company.

    Whenever a resume is uploaded, Teamable will send the prospective candidate a link to the job URL using the email your employee has provided so that he or she can formally apply for the position.

  • Read below to see how to filter the jobs that you own (and how to add yourself to any jobs where you're currently not listed as owner).

    To review job owners for a specific job, from the recruiter view, click on the job and then choose 'Basic Info'.

    Note:there can only be one CC'd owner. But you can have as many people (or group addresses) added to the BCC (or 'None' option) as you wish.

    Q:What does CC mean?A:That means that job owner will be cc'd on any messages sent from employees making warm introductions via Teamable.

    The default message is a warm introduction to the person on the CC field--and that person can then work with the prospective candidate on next steps.

    Q:What does BCC mean?A:That means that job owner will be bcc'd on any messages sent from employees making warm introductions via Teamable.

    Q:What does None mean?A:That option is available in cases where the recruiter doesn't want the email notification but still wants to remain in the loop on the job.

    To remove an owner, click the redXat the end of their line.

    To add a new owner, choose the name from the add owner drop down below.

  • Teamable reporting is available upon request to help you track and manage your funnel and any prospects that have moved to your ATS.

    Note: Teamable funnel and applications reports are now available for your account as requested or on whatever cadence you establish please contact Support. if you are not yet receiving them and would like to have them sent to you.

    Funnel Report

    The funnel report makes it easier to see all of the valuable information from the funnel view in Teamable in spreadsheet form.

    There are four different tabs in the funnel report. Having the data in a spreadsheet makes it easier to slice and dice as needed by introducing your own spreadsheet formulas or entering the raw data into your existing reporting corpus in order to track and measure results over time.

    Examples of items you can discover, measure and track with the funnel report:

    Who has been marked as top talent (the top talent tab)

    Where everyone is on the leaderboard (the leaderboard tab)

    Which candidates have been identified, who referred and for what position (the candidates tab)

    Who asked for a referral and for what position, when, and the status of the request (referral requested tab)

    Application Report

    The application report will show all of the candidates who have moved over to your application tracking system from Teamable and the latest status.

    Note: In cases where you have not yet integrated an ATS with Teamable, there will be no application report.

    There are three separate tabs in the application report. And there are two different application reports available, a rolling seven-day view of activity and an all-time view of activity. Be sure to specify which view you'd like to see when requesting the report from your customer success manager.

    Candidates can make it to your ATS from Teamable in one of four ways:

    Whenever an employee clicks the refer button on a suggested candidate and the email goes out

    Whenever a recruiter/sourcer/hiring manager sends a request for an intro and the employee clicks refer and email goes out (both 1 and 2 are covered in theemail_senttab)

  • Top Talent is someone at your company identifying a former colleague to let you know you ought to reach out when the right job opens.

    Any employee in your Teamable network can proactively identify top talent by clicking 'Mark Top Talent' next to a connection.

    Many companies specifically ask engineering team members (or for other hard-to-source roles) to proactively go through their network and mark top talent to make it easier for the recruiting team to request introductions.

    Every employee in your Teamable network typically knows 5-50 people who may not be top of mind but who would be great additions to your company. These connections are spread over multiple networks, but viewable under a single pane in Teamable.

    What is Top Talent?Top Talent is exactly what is sounds like: a professional connection that your employee has worked with previously who is highly respected and has specialized knowledge which would be beneficial to your company.

    Every company has the option of establishing their own litmus test and communicating to their employees how exactly to determine whether someone in their network meets this bar for entry.

    Typically, it's the top 10% of people your employees have worked with in the past.

    Using Top TalentTop talent will automatically bubble up to the top of any recruiter search whenever an individual's skills match the search terms.

    A recruiter can also search only top talent by checking the optional box 'Top talent only' under Advanced Filters at the bottom left of the search bar for any open job.

    To reach out to anyone identified as Top Talent, follow these steps:

    Click 'Source' or 'Intro'.

    Send Requests.

    Note: Sourced candidates will appear in the first stage under tracking so you can more easily separate finding candidates from sending requests if these functions are owned by different team members at your company.

    Turning off your Greenhouse Integration

    When you connected with Teamable, you provided us with two API keys.

    Teamable partner key - enables us to automatically pull in your jobs and to auto entry referrals made through Teamable into Greenhouse.

    Harvest API key - enables us to check candidates in Teamable (aka people your employees know) against candidates in Greenhouse to ensure no one refers someone who is already in Greenhouse, to keep your team from having to flip back and forth, and to update the statuses automatically of referrals made through Teamable so employees can see their progress in the tracking page. Without this, a lot of the advanced sourcing automation that saves your team timewon'twork.

    Instructions for revoking each below.

    NOTE from Greenhouse if you don't see the Dev Center and cannot create a partner API key:

    Users who need access to manage API credentials for your organization will need to be assigned access to do so. Users of any type (Basic, Interviewer, Job Admin, or Site Admin) can be assigned one or both of the following permissions:

    Can manage Job Board related API Credentials

    Can manage ALL organization's API Credentials

    Users with Site Admin permissions who also have the advanced "Can edit another user's advanced permissions" permission will be able to assign these API management permissions to other users. Here are the steps:

    Click Configure

    Click Users

    Either click the + New Users button to add a new user, or click on the name of an existing user to edit their permissions

    Drop down Developer Permissions and put a check in the box next to either Can manage Job Board related API Credentials or Can manage ALL organization's API Credentials. The latter option includes access to both the Job Board API as well as the Harvest API.

    Click Save

    In the Greenhouse dashboard go to: Configure -> Dev Center -> API Credential Management.

    REVOKING THE KEYS

    Click Revoke next to the Harvest API and the Teamable API key in order to disable each of these keys.

    Note: there may be other applications that are using your Harvest API key, so you may wish to regenerate this key and provide the new key to these application vendors.

    Turning off your Lever Integration

    How to disable your Lever ATS integration with Teamable.

    Note:To set up Lever integration, you will need to be a Super Admin of your Lever instance.

    When we connected with your ATS, we asked for only one Lever API key, but there are two places to look in Lever depending on which version of Lever you're using.

    1) Enterprise Lever:

    Go to Settings>Integrations>API Credentials

    If you have Enterprise Lever and are an administrator, you will have the ability to click 'Generate New Key' for the Lever API credentials (not Postings API credentials). You can also revoke any of the existing keys.

    You should have a key already created here that says Teamable. Click Revoke to remove the key.

    That's it, you're finished!

    2) Professional Lever:

    Go to Settings>Integrations>API Credentials

    If you don't have Enterprise Lever, you will see the following in the Lever API credentials area:

    You can contact Lever to inquire about how much additional it would cost to move to the Enterprise version of Lever or you can continue and obtain the Partner Integration Key for Teamable.

    To obtain this key, click on the Partner Integrations tab:

    Then scroll down to the Sourcing section.

    Then see that Teamble is turned on.

    Click to expand.

    Click Revoke to remove.

    Thats it! Youre done.

    Turning off your Jobvite Integration

    When you connected with Teamable, you provided Teamable with the following via Jobvite Engage:

    In order to connect Teamable with Jobvite, you had the Jobvite "Engage" module enabled and request the following from the Jobvite Customer Success Team :

    api_key

    api_secret

    comp_id

    IMPORTANT NOTE: These keys must have access to all 3 APIs:

    Job API

    Contact API

    Candidate API.

    You also provided a default job owner in Teamable.

    This is who owns the job in Teamable whenever the person who is the primary job owner in Jobvite has not created a Teamable account.

    You also created the following custom fields in Jobvite.

    Note: this requires Admin access to your Jobvite instance.

    In the Admin view, click on Engage>Custom Fields.

    Click Add.

    Choose Type>Text.

    For Name type Teamable Notes and Messages (without single quotes).

    For Internal Name type teamable_notes_and_messages (without single quotes).

    Click Save.

    Next, you will create a custom source in Jobvite.

    In the Admin view, click on Configurations>Sources>View Sources.

    Click Add Candidate Source.

    Click 'Submit'.

    Type in 'Teamable candidate' (without single quotes.

    To disable your Jobvite integration, we recommend doing the following:

    Contact Jobvite support to disable the keys that were created.

  • When you connect your Greenhouse ATS, Teamable will push candidates and tags whenever certain conditions are met.

    What is the difference between a prospect and a candidate?

    From the Teamable perspective:

    A prospect is a person sourced for a job (not yet contacted, but might be asked for an introduction or a referral can be made which is not approved). Not yet pushed to ATS.

    A candidate is a person who is messaged. Once the message is sent out or a resume is uploaded (after approval) the prospect becomes a candidate and is pushed to ATS.

    From the Greenhouse perspective:

    A prospect is someone who has been identified and messaged for a job but hasn't yet indicated an interest.

    A candidate has signaled active interest by giving his/her resume to someone at the company in order to be introduced to the hiring team.

    When does a prospect get pushed into Greenhouse?

    Person is directly messaged - Moved to Intro Made stage.

    Recruiter asked for an introduction and then messaged - Moved to Intro Made stage.

    Person is referred by employee and approved by recruiter - Moved to Intro Made stage.

    A resume is uploaded and approved by Recruiter - Moved to Intro Made stage.

    Person is manually moved to a bucket, Moved to Intro Made or Interview Status stage.

    The main indicator in Teamable that person is pushed to ATS is that the person is in the Intro Made stage, which means that the person has been messaged.

    Can a person end up as acandidatein Greenhouse (as defined by Greenhouse)?

    Only in cases where an employee uploads a person's resume to Teamable.

    What is the source in Greenhouse from Teamable?

    We push only one source type to GH which looks like this: 'Referred on Teamable (Refferer_name)'.

    Do you have a complete list of Teamable tags that are pushed to Greenhouse and under which conditions?

    Below is the complete list of pushed tags and explanations:

    'Recruiter sourced (Teamable)' - messaged after making an intro request to employee i.e. a recruiter initiated a referral

    'Employee suggested (Teamable)' - Employee initiated, employee referred the candidate for the job.

    CV Upload (Teamable) - Candidate created as a result of resume upload

    'Manually pushed (Teamable)' - the person is manually moved to an Intro made/Interview status.

    'Messaged (Teamable)'- Recruiter directly contacts the prospect. The referrer field will have the recruiter who messaged person.

  • It's easy for you to connect your Greenhouse, Lever, or Jobvite ATS to your company's Teamable account, allowing you to quickly synchronize published jobs, prospects (leads), and candidate statuses. In this article, we're going to look further into job synchronization specifically.

    Job synchronization means that any time you create a new req in your ATS, we will create that job in your Teamable account. This means that any activity that occurs in Teamable for talent messaged will result in prospects (leads) being associated with that job in your ATS. We only create jobs for publicly available/published jobs, not jobs that are opened but kept internal or private.

    For each job that is created, we bring over the following information, when available (refer to tables below for more details):

    Job title

    Job URL (the publicly available url to the job description from your ATS)

    Job location

    Job owner

    Referral bonus (if any)

    By default all new jobs will be set to be public in Teamable and for auto approval to be turned on, meaning anyone messaged by a team member won't have to wait for the recruiter to approve before the message goes out. Read more about job settings.

    We also create a Boolean search string under basic info for every job opened in Teamable to make sure the prospective candidates displayed are optimal.

    Q:How often does the job synch happen?

    A:We perform two synchronizations.

    Synchronization OneApproximately once every 30 minutes, we query your ATS and write to our Integrations server, and instantly update the jobs on your company's Teamable jobs page.

    This includes the following:

    Any changes to publicly available jobs (for example a job has been filled and archived in your ATS or a job owner has changed in your ATS).

    Any new jobs that have been published/publicly available.

    Synchronization TwoWe also have a secondary "safety net" process that runs from the product side. This process executes approximately every 6 hours for all customer accounts. This ensures that any jobs that weren't picked up fromsynchronization oneare updated (for example, in cases where the synchronization didn't complete due to a time out issue or other unexpected error).

    You can use the following reporting within Greenhouse to track all Teamable candidates.

  • How to engage Hiring Managers in your recruiting pipeline

    Getting StartedBy default, Hiring Manager Review is enabled at the account level but turned off for every job. This allows you to configure it to your specifications for each job.

    Whenever you add a Hiring Manager to the job settings, an additional stage called 'Hiring Manager Review' will appear from the tracking tab.

    Once you have added a Hiring Manager, when you click on 'Intro' now from the search tab, you'll have two options: 'Send Request'or 'Add for Review'.

    Note: If you click 'Save' without checking the 'Require hiring manager review...' checkbox, then the stage will still appear but it will be optional. Meaning your recruiters can send out intro requests without requiring the hiring manager's approval.

    If you wish to require a Hiring Manager's approval, simply check the box below the specified Hiring Manager.

    Note: If you click on the 'Require hiring manager review...' checkbox, you must specify the hiring manager.

    Figure Two: Form validation prevents you from requiring a hiring manager if one hasn't been selected.Once you have saved the settings, you will see the 'Hiring Manager Review' stage appear on the tracking tab, as before. But now, from search, you will only have one option: 'Add for Review'.

    To enable Hiring Manager Review for your account, contact Teamable CS.

    Once enabled, you'll be able to manage this option position by position. (By default, it will be enabled for all positions).

    Managing the Hiring Manager Review OptionTo see whether you have Hiring Manager Review enabled and to choose the Hiring Manager who will be reviewing the prospects you've sourced follow these steps (with Recruiter permissions).

    Open thejobfrom the jobs page.

    Click on theSettingstab.

    FromBasic Information, choose the Hiring Manager (and optionally check the 'Require hiring manager review before referral requests are sent out'. if you wish to require this).

    Once prospects have been added to the 'Hiring Manager Review' stage by clicking 'Add to Review' the hiring manager you've assigned under job settings will receive an email notification to review the prospect. But anyone with recruiter permissions can approve the prospect. All activity is tracked under the notes tab on the prospective candidate's card.

    Figure Six: Assigned Hiring Manager can go to tracking and click 'Approve' or 'Reject Prospect'.

    As soon as the prospect is approved, he or she will move to theIntro Requested state where you can then request a warm intro from someone at the company who knows the prospect or send a direct messageNote: There is also an option to enable auto-approval for recruiters. You can manage the settings for both on a job-by-job basis. The Hiring Manager Review impacts the Recruiter workflow and the Auto-Approval impacts the employee workflow.

    For example, if you enter a hiring manager, check the 'Require hiring manager review' option and uncheck the Auto-Approval option, it would result in the following flow for employee suggested candidates:

    Employee refers a candidate.

    Recruiter approves referral.

    Hiring manager approves referral.

    Candidate messaged.

    This is a lot of steps so exercise caution as you'll see participation drop off at each added step.
